Wondering how to share a Google Slides presentation? Good news! It’s a pretty simple process. There are multiple ways of sharing a Google Slides deck. The right method for you will depend on how you’re going to deliver the slides, the required file type, and your audience. Do you want to share so that a colleague can proof-read and edit, or so that an online audience has the virtual equivalent of a handout?

As Google Slides exists completely online, sharing your presentation with others isn’t limited to an email attachment. This post will show you how to share Google Slides presentations in five ways, there’s definitely something here to meet your needs!

Before we get to that, you need to know where to find the Share function in Google Slides.

  • Open Google Slides and click File , in the top bar
  • Click Share at the top of the drop-down menu

  • Or, click Share at the top right-hand side of your window.

1. How to share Google Slides presentations with people and groups

Using Share with people and groups , you can share your Google Slides presentation with multiple people at once. This is helpful if your teammates need to collaborate in the same deck or if you require feedback from a colleague or client. Share with people and groups allows you to change the editing permissions per contact. You can allow each contact to simply view the document, or add comments, or edit it themselves. The level of permission you choose can be different for each contact you share with, giving you a lot of flexibility.

  • Click Share to bring up the Share with people and groups pane.
  • Next to Add people and groups , start typing the name or email address of the contact you want to share the deck with. A list of recommendations will appear as you type. Once you’ve selected the right contact, their name will appear at the top of the pane. If the person you want to share with is not already in your contact list, you need to type in their full email address.
  • Click the small cross next to a contact name to deselect the contact.

When you share using Share with people and groups , Google will ask the user to log in to their Google account to access your shared file. If the user does not have a Google account, they will be unable to access your deck. Just head to the next section to find out how to grant access to non-Google users.

Now you’ve chosen your contact, you can alter their permissions to change how they are able to interact with the deck. There are three options – Viewer , Commenter , and Editor . Simply click on the option currently visible and a drop-down menu will appear allowing you to choose whether your contact can… well… view, comment on or edit the deck. Pretty self-explanatory, right?

But which permission should you give to who and when?

  • Viewer: This will prevent contacts from editing slides. If your deck is completely finished and approved, set the permissions to Viewer to stop contacts accidentally editing – or even deleting – slides from your finished presentation!
  • Commenter: The best option for gathering feedback. If your contact has limited knowledge of Google Slides, direct them towards our handy Ultimate Guide to Google Slides post so that they can brush up! In the meantime, share your deck using the Commenter function. This way, contacts can comment without being able to rearrange slides, or change text or animations.
  • Editor: Perfect for collaborative projects. Editor allows you to share an editable version of your deck. Everyone with this permission can work on the same slides at the same time. This means you don’t end up with multiple versions of the same deck.

Once you’ve selected one of these permission options, you’re free to hit Send . If you tick Notify people , your contact will receive an email letting them know that they have permission to access or interact with your deck.

In the Share with people and groups pane, the owner of the Google Slides presentation appears at the top. Beneath that, you can see who has access to the deck and the status of their permissions. If you want to change someone’s permissions, press the yellow Share button at any time and edit permissions using the same drop-down menu.

To stop sharing with a specific person:

  • Click Share and scroll to the contact you want to remove
  • Click the drop-down arrow next to their name
  • Select Remove
  • Click Save .

Notice the Give temporary access and Make owner options. If you choose to Give temporary access , you can edit the number of days that your contact has access to your deck. All you have to do is click the number of days next to Access expires to change the expiration date. This can be a great option if you’re working with people outside of your organization, such as clients or agencies. For example, you can schedule the expiration date for the end of a project, once the feedback has been received and the work completed.

Make owner allows you to pass ownership of the deck to another user. After you’ve created a presentation you might need to hand it over, to the presenter for example. You can use this option to give someone else complete control. Use it with caution, however. Once you’ve handed over ownership, you cannot retrieve it – unless the new owner hands it back or chooses to grant you access permissions.

Top tip: If you’re the owner of the deck (if you have created it yourself or have been given ownership by the original creator), there are further sharing options. When you click Share , you’ll notice a cog appears in the top right-hand corner pop up. This allows you to choose whether your Editors can change permissions and share or if Viewers and commenters can see the option to download, print, and copy. All you have to do is tick or untick the box. Easy!

2. How to share a Google Slides presentation via a link

In this window you can also get a link.

  • Click the blue Copy link button.
  • Paste the link anywhere, from an email draft to a Microsoft Teams chat

This link will only work for people who have been given permission to view, edit or comment on the deck. To change this:

  • Click Share
  • In the Get link section, press Change .
  • Choose whether your deck is Restricted or if Anyone with the link can view. Note: when you change a link’s setting to Restricted , the only people who can still see the deck are those you have directly shared with in the Share with people and groups section.

Though the Anyone with link function can be useful, it’s not the most secure option. Remember: the users that you originally shared the link with can continue to share the link with their friends, colleagues, and contacts too, meaning your presentation can be shared endlessly and with anyone! If your deck contains confidential content, you should not use this method.

3. How to publish a Google Slides presentation to the web

If you don’t want your viewers to edit your deck, then Share with groups and people may not be the option for you. Instead, choose to Publish to the web . With this option, your deck becomes non-editable, it will simply play as if your deck was a video; auto-advancing through the slides. This means that the viewer won’t have control over which slides they view or the order they view them in. The content of your slides will be visible to anyone and everyone when publishing to the web, so be careful about choosing this option if your slides contain confidential information.

  • Click  File
  • Select Publish to the web
  • Choose Link or Embed. You can share the URL with your contacts, or you can embed the link on a website or blog
  • Choose how your slides playback using the drop-down menu beneath Auto-advance slides
  • Click Publish
  • Copy the URL or HTML and share your deck

4. How to download a Google Slides deck as different file type

Another method of sharing (or saving) your slides involves downloading the deck as a different type of file.

  • Under File select Download .
  • Select the format you need (Microsoft PowerPoint (.pptx), PDF Document (.pdf), or JPEG Image (.jpeg)), and the download will begin.
  • Open your file

While there are many formats available, we don’t recommend all of them. For example, when downloading as an Image, whether PNG or JPEG, the quality of your slides can be lost, the presentation will be static, and you can only download one slide at a time. If you’re printing or emailing your deck, downloading as a PDF is the best option to get a static version of your slides.

Since PowerPoint is the closest option to Slides, this format retains the presentability of the deck. However, there’s a chance that your content will corrupt or break as not all features are transferable between file formats. Check for any changes and make tweaks – like removing animations – before sending your presentation to your contacts. 5. How to email your Google Slides presentations as an attachment

  If all these sharing options still aren’t quite cutting it, there’s one more! To share your slides via email:

  • Select Email as attachment
  • Type the name or email address of your contact
  • Pick the file type your deck
  • Add a message, then hit Send

Hi, I am looking for a way to have Google slides running on a laptop or tablet and instead of the presentation going to a screen, to go live i.e. as it would on a projecter in a URL that I can tell people about, so they can use it with their mobile phones, tablets etc. The sort of application would be for Carol singing, each slide would have no more than two lines to allow for large type and as it goes through the verses it shows on singers devices, one slide at a time. How to Use the Presenter View in Google Slides

How to Use the Presenter View in Google Slides | Quick Tips & Tutorial for your presentations

Google Slides, like PowerPoint, has different presentation modes that can come in handy when you’re presenting and you want your slideshow to look smooth. Whether you’re looking for slides only, speaker notes or the Q&A feature, in this new Google Slides tutorial, you’ll learn about these and their respective settings. Ready? Then let’s explore the presenter view! 

Types of presentation modes in Google Slides

Presenter view, start from beginning, present on another screen.

There are three presentation modes in Google Slides. 

If you click the “Slideshow” button or press Ctrl/Cmd + F5, your presentation will start directly without any speaker notes. This is the most widely used and the simplest option.

Next to the “Slideshow” button, there’s a drop-down arrow. Click on it to see the different presentation modes:

In this mode, you’ll be able to see the speaker notes, check the timer and adjust other settings, such as questions from the audience. For more information about the speaker notes, please refer to this  Google Slides tutorial .

To view the different tools, after clicking “Presenter View”, move your mouse to the lower left-hand corner of the screen. You’ll see the slide number, previous and next slide arrows and three dots. Click on the dots and here are your options:

Open speaker notes

This enables the speaker notes and makes them visible. If you click this button, you might exit fullscreen mode. To go back to fullscreen, press Ctrl/Cmd + Shift + F or click the “Fullscreen” button. For more information, please refer to this  Google Slides tutorial .

Turn on the laser pointer

You’ll see a red dot on the screen, which you can move around to point out any element from your presentation.

Full screen

Click this button (or press Ctrl+Shift+F) to enter or exit fullscreen mode.

Click this button to finish the presentation or just press Esc.

If you click on “Auto-play,” more options will appear: Click “Play” and the slides will advance automatically (by default, every two seconds, but there are other options available. You can also choose to play the slideshow on a loop).

Captions preferences

If you have a mic set up, you can enable captions. Click the drop-down arrow to adjust the size of the text and its position on the screen.

If you click on “more”, you can enable the Audience Q&A panel by clicking on the first option that appears. For more information, please refer to this  Google Slides tutorial .

More: Downloads, printing, info and options

Under the “More” tab, you can also choose different download formats for your slideshow or print it out. This tab also contains a handy list of keyboard shortcuts (if you prefer handling keys to using your mouse) and the possibility to report problems. 

Your presentation will begin from the first slide (Ctrl/Cmd + Shift + F5).

Your presentation will be shown on a different screen via a media display device, such as Chromecast. This option will be available only if there’s another screen available.

If you’re using Google Meet on an eligible work or school account, you can control Google Slides presentations from within a Google Meet video meeting. You can also make other people in the video meeting co-presenters.

Important : To control a Google Slides presentation from a Google Meet video meeting, you must use a computer with a Chrome browser.

  • In a Chrome tab or window, open the Slides file you want to present.
  • In a different Chrome window, open Google Meet and join a video meeting.

  • You can either present from the Google Meet tab, or present directly from the Slides tab .
  • Select the tab with the Slides presentation, then click Share .
  • Important: You can only control a presentation in Google Meet when you're in slideshow mode.
  • Click to the next or previous slide with the arrow buttons.
  • Jump to a specific slide by clicking the slide number, and choosing from the list of slides.

Do you want to learn how to make Google Slides view-only?

When creating a presentation on Google Slides, you can share it with other users to collaborate with them.

However, there may be times when you want to make the slides view-only so that those with whom you’ve shared the presentation cannot edit the slides, but only view them.

Is it possible to do this in Google Slides?

Absolutely!

In this article, you’ll learn how to make your Google Slides view-only.

How to Make Google Slides View Only?

Step 1: click the “share” button.

To get started, open the presentation you want to share.

Once you have the slide open, you’ll see the “Share” button located in the top right corner of the page.

Click on the “Share” button and proceed to the next step.

Step 2: Under General access, select “Anyone with the link”

You will now see a pop-up with sharing settings.

You can either create a link and share it, or you can manually enter each user’s email address, select their role, and then share the slides.

Personally, I prefer creating a link and sharing that.

Under the “General access” settings, click the drop-down menu and select “Anyone with the link”.

Google Slides will create a link that you can share with others, but first, we need to edit the role of the user(s) who will access the slides.

Step 3: Set the role to “Viewer”

How to Make Google Slides View Only

To select the role menu in Google Slides, first, locate it next to the “Anyone with the link” menu.

You will see three roles: Viewer, Commenter, and Editor. If you want users to only view the slides, select the “Viewer” role.

Alternatively, you can select the “Commenter” role. With the “Commenter” role, users can view the slides and suggest edits by right-clicking on any element on the slide and selecting the “Comment” option.

The comments will only be visible to the commenter and the owner of the slides.

If you want users to edit the slides, select the “Editor” role.

Did you know that you can create a link that will directly present the slides to anyone who accesses it?

They will only see the slides and not the toolbar and other features that an owner can see.

Step 4: Click “Copy link” and share it with others

How to Make Google Slides View Only

Finally, click the “Copy link” button and share the link with the people you want to access the slides.

Users will only be able to view the slides and won’t be able to edit them.

If you want to allow users to edit the slides, go back to step 3 and select the “Editor” role.

Yes, you can share Google Slides as view-only. In order to do so, you need to select the “Viewer” role under the sharing settings for the presentation. Once you’ve created a link to share the slides, users will only be able to view them and won’t be able to edit them.

To change a Google Slide from view-only to edit, you need to select the “Editor” role under the sharing settings for the presentation. Once you’ve done this and shared the slides with others, they will be able to edit the slides.

You have been granted the “Viewer” role by the owner. To edit the slides, click “View only,” then select “Request edit access.” Once the owner grants edit access, you will be able to edit the slides.

To lock a Google slide so it cannot be edited, select the “Viewer” role under the sharing settings for the presentation.

Making your Google Slides view-only is easy! Here are the steps to follow:

  • Click the “Share” button.
  • Under General access, select “Anyone with the link”.
  • Set the role to “Viewer”.
  • Click “Copy link” and share it with others.

Now you know how to make your Google Slides view-only.

If you want to allow users to edit the slides, simply go back to step 3 and select the “Editor” role.

How to Share Google Slides with Your Students

Check out this quick tutorial to learn how to share Google Slides with students!

Google Slides™ activities are one of my top go-to technology tools for the classroom. I love that they save automatically as students work and that they live in the cloud. My students love them for their interactive features as well as being able to easily collaborate with other students.

Google Slides are especially handy to use if you are doing virtual teaching, work in a 1:1 classroom, or are a homeschooler.

So how do you share Google Slides with students? Read on for a quick tutorial!

Sharing Options for Google Slides

However you share the slides, you have to first decide what permissions to allow. There are three sharing options :

  • students will view your file
  • students will view and edit your file
  • students will get their own copies of the file

I choose view-only if it’s something my students don’t need to edit or work in. The second option is great if you want students to work on a collaborative class project. If you want to assess each student’s work, you’ll probably want to pick the last option.

Assign Slides through Google Classroom

Sharing slides right in Google Classroom is my preferred method.

One way to share Google Slides is to share it via Google Classroom.

  • Open Google Classroom.
  • Click the Classwork tab at the top.
  • Click Create and then Assignment.*
  • Type the title.
  • Click Add and then Google Drive. Select the Google Slides file you want to assign. Click Insert.
  • Choose how you want to share the file (view, edit, or make a copy).
  • Add any additional information (like a due date, number of points, rubric, or selecting particular students).
  • Click Assign and then Assign or Schedule.

One way to share a copy of a Google Slideshow is by creating a new assignment in Google Classroom.

*When you click Create, you can choose Material instead of Assignment if you want to share slides without assigning them to students.

  • Open the file.
  • Click Share.
  • Type individual names or the name of a group. Click the Editor tab and select the role (viewer, commenter, or editor).
  • Click Send.

One way to share Google Slides is to share a link right in Google Slides.

Alternatively, you can just grab a link to copy and paste:

  • In the Get Link tab, choose how you want to share the file (view, edit, or make a copy).
  • Click Copy Link.
  • Paste the link in an email or other secure environment.

Email Google Slides as an Attachment

Another option is to send the Google Slides as an email attachment.

One way to share Google Slides is to send it as an email attachment.

  • Click File and then Email. Click Email as attachment.
  • Type the name(s).
  • If you have slides you don’t want to share with students (like teacher directions, answer keys, or content you haven’t taught yet), just move or delete those slides before sharing the file.
  • I recommend making a copy of your original file and sharing that one with students, especially if you want to make modifications to it.
  • If you assign a file through Google Classroom, filling out the Topic will help keep your stream organized.
  • Many LMSs (like Canvas and Schoology) allow you to share Google Slides as well. Just change the permissions and share the links and you’re good to go!
  • Students can share their Slides back with you for assessment and easy feedback !

If you make a choice board and link a google slide interactive activity, then for the choice board select make one for all students… will the link also be made for all students so that they have their own?

At the end of the link you post in the choice board, change the end of the url address from /edit to /copy and it will require the student to make a copy that is their own. It will not automatically share it with you though, they will have to do that.

Hello, I would like the kiddos to be able to look at each others slide shows. How can they view completed slide shows? We have 28 third graders and would like to give them the option to view and assess 3-5 individual slide shows. I would like to be able to do this within google classroom.

Hi Christine! They can share their slideshows using the same processes outlined in this post. If you assign groups, they can just enter those students’ names in the sharing window. They should pop up easily since you are all in the same organization. I’d just remind them to not change the settings to edit. Another option is for them to share their work back with you and for you to send out the links, but that’s more work. I hope that helps!

Hi Alyssa, thank you so much for your great tuto. I created a Google slide to make my students learn. So I created Classwork an a new Assignment.* Then a went to my Google Drive to select the Google Slides file I want to assign. Click Insert. I choose ‘make a copy for each student’ because I want to share the file and I want every single student to work on the slide. So I can see if everyone is doing well. I’m afraid I don’t have any experience using Outschool. If you have students’ email addresses, you can share a link with them. Another option would be to create a force-copy code and then use a URL shortener, and send them that link. Good luck!

Hi Trish! Are you in GC or sharing straight from slides? If you’re sharing right in Slides, they’ve changed it a bit since I wrote this post. You can copy the link and then change the end of the link to /copy (delete /edit and everything after it). I hope that helps!

Speaker notes are helpful for talking points as you present a slideshow. In Google Slides , you can add notes to each slide, edit or remove them as needed, and of course, display them during the presentation.

You have a few convenient ways to open the Speaker Notes section below your slide as you create your presentation.

  • Double-click the three dots at the bottom of the Google Slides window.
  • Drag up using the three dots at the bottom to resize the Speaker Notes section as you please.
  • Click View > Show Speaker Notes in the menu to select it.

Once you have the Speaker Notes area displayed below your slide, you can simply click inside the section to add your notes.

Add Speaker Notes in Google Slides

You can also use the Google Slides toolbar to format your notes. Change the font style or size, apply color, bold, or italics, or use a numbered or bulleted list.

To hide the Speaker Notes again, reverse the action you did for opening them.

  • Double-click the three dots at the top of the Speaker Notes section.
  • Drag down using the three dots until the section vanishes.
  • Click View > Show Speaker Notes in the menu to deselect it.

Hide Speaker Notes in Google Slides

To edit your speaker notes, open them and just make your changes. Your edits are saved automatically just like any other changes you make as you create your presentation.

To remove speaker notes, select all of the text and press Delete on your keyboard.

You can begin a Google Slides presentation by hitting "Present" at the top of the screen or by clicking the arrow and selecting " Presenter View " or "Present From Beginning."

To start the show with your notes in hand, choose "Presenter View." This displays your slideshow in your main browser window and places your presenter notes in a smaller external window that you can move or resize.

If you use the "Present" or "Present From Beginning" options, you can still access your notes using the Presenter Toolbar . Be sure to take your presentation out of full-screen view first. Otherwise, your notes will display in full-screen mode.

Move your cursor to the bottom left of the slideshow and you'll see this toolbar display. Open the Options Menu using the three dots on the right and select "Exit Full Screen."

Then to view your notes, open the Options Menu and select "Open Speaker Notes."

Like Presenter View, this opens your notes in a smaller window that you can place where you like.

Since the above options all place your Speaker Notes in their own window, you can click the X to close that window at any time if you no longer need your notes.

Slide Sorter View in Google Slides (Everything You Need to Know!)

When you are working on a presentation that has tens and even hundreds of slides, it can soon become very cumbersome to put them together and make sure that they are in the right order! Luckily, the Slide Sorter View (known as the Grid View Google Slides) can help us with exactly this problem.

Slide sorter view, known as the Grid View in Google Slides, lets you see, edit, sort, and even remove slides on the fly. To view the slides in Grid View in Google Slides, click on “View”, and then click on “Grid View” from the dropdown. You can also press Ctrl+Alt+1 on Windows and Cmd+Option+1 on Mac.

Getting to a point where you not only know what the slide sorter is, but how to effectively use it will mean you spend a lot less time scratching your head and more time perfecting your presentation.

This means you first need to know what the slide sorter view is, what the difference is between slide view and slide sorter view, how to navigate to it, how to arrange slides, and how many layouts you will be able to find.

Here’s everything you need to know and learn about the slide sorter view or the grid view in Google Sheets.

What does Slide Sorter View Mean?

Google Slides can be very confusing for first-time users even if they have used other presentation design softwares. In such a scenario arranging and restructuring the slides quickly can add to the confusion. However, the Slide Sorter is one of the easiest ways to restructure your slides in Google Slides.

Slide Sorter View or the Grid View in Google Slides

The Slide Sorter View or the Grid View is basically a feature available in Google Slides that allows you to see multiple slides of your presentation in a quick glance.

It allows you to check the flow of your presentation and re-arrange the slides if something doesn’t quite feel right.

This view lets you easily see where everything in your presentation at a high level, including any graphics or text you have placed on them. Using the Slide Sorter will enable you to easily arrange and rearrange your presentation.

Slide sorter view is the best place to sort and view your slides.

What is the Difference between Slide View and Slide Sorter View?

Slide view, also known as the filmstrip view, is the default way in which you will find Google Slides is arranged, letting you see the slides on the left side of your screen. This view requires you to scroll up or down to navigate through your slides.

The slides in the slide view or the filmstrip view will be smaller and show less information if you are working on smaller screens.

While the Slide Sorter View or the Grid View on Google Slides lets you easily see all slides in your presentation laid out in a grid pattern. This allows you to see more slides in one go that you can in a filmstrip view.

Furthermore, the grid view also shows the slides slightly larger than the filmstrip view. This is the easiest way to see every single slide that you have in your presentation, as well as letting you see in what layout they have been arranged.

Creating a quick and easy way for you to manage your slides, either in a large batch or just one by one on the side. Both views are fantastic for their own purposes, letting you make edits and changes where needed.

Where is the Slider Sorter View Button?

On Google Slides changing your view to something similar to Slide Sorter View is simply clicking on the grid pattern view at the bottom left corner of the screen. It is here where you can choose between filmstrip view or grid view for your Google Slide presentation.

You can also toggle between the grid view and filmstrip view by using the “View” menu.

Simply click on the “ View ” menu. You’ll see a dropdown that opens up. Click on “ Grid View ” from the dropdown. You’ll now be able to see the slides in Grid view.

You can now either use the view menu again or click on the button for the filmstrip view to go back to the default view of Google Slides.

Another way to quickly toggle between the grid view and filmstrip view in Google Slides is by using the keyboard shortcut. As mentioned earlier in the article, the keyboard shortcut for entering the Grid View in Google slides is Ctrl+Alt+1 on Windows and Cmd+Option+1 on Mac.

How to Arrange Slides from the Slider Sorter View?

One of the best and most powerful things you can do with the slide sorter view within google slides is the arranging and deleting of slides.

When you have changed the view of your Google Slides to the grid view you can simply click and drag to move a slide around.

Rearranging the slides can also be done by selecting the slide and then pressing right-click on a slide, going to the option to say move forward or backwards.

The slider sorter view also lets you easily remove or delete slides, simply click them and press the delete button on your keyboard.

You can right-click on a slide you want to remove too , selecting the remove slide option from there.

The third option would be to navigate using the “ Slide Menu “, and from the dropdown clicking “ Move “. Then, you can choose to “ Move slide up ” or “ Move slide down “.

Every single action that you can take using either right-click or desktop shortcuts can be done using the top ribbon you find on Google Slides. This lets you easily understand and execute the function you are looking for.

How to Increase the Slides visible in the Grid View?

Another thing that you can do using the grid view is to increase or decrease the number of slides that are visible in the grid view.

To do so, make sure that you are first present in the Grid View. Then, look for “-” and “+” symbols at the bottom of the Google Slides window . You will see it next to a magnifying glass (as indicated in the image above).

Click on “-” to zoom out and increase the number of slides visible in the grid view. You can also click on “+” if you want to zoom in on the grid view in order to see lesser number of slides.

Zooming in and zooming out provides you with additional flexibility or viewing more slides (or fewer slides) at a glance.

Final Thoughts

Becoming a master presenter and covering all your bases is a simple task of getting to know what you are doing and how to do it all. This can be as simple as rearranging one slide to be before another, or maybe even changing the layout of every single slide to something more friendly and easy to understand.
