Unfortunately, we don't live in a world in which problems are instantly resolved with the snap of our fingers. Knowing how to effectively solve problems is an important professional skill to hone. If you have a problem that needs to be solved, what is the right process to use to ensure you get the most effective solution?

What is problem solving? 

Problem solving is the process of finding a resolution for a specific issue or conflict. There are many possible solutions for solving a problem, which is why it's important to go through a problem-solving process to find the best solution. You could use a flathead screwdriver to unscrew a Phillips head screw, but there is a better tool for the situation. Utilizing common problem-solving techniques helps you find the best solution to fit the needs of the specific situation, much like using the right tools.

4 steps to better problem solving

While it might be tempting to dive into a problem head first, take the time to move step by step. Here’s how you can effectively break down the problem-solving process with your team:

1. Identify the problem that needs to be solved

One of the easiest ways to identify a problem is to ask questions. A good place to start is to ask journalistic questions, like:

Who : Who is involved with this problem? Who caused the problem? Who is most affected by this issue?

What: What is happening? What is the extent of the issue? What does this problem prevent from moving forward?

Where: Where did this problem take place? Does this problem affect anything else in the immediate area? 

When: When did this problem happen? When does this problem take effect? Is this an urgent issue that needs to be solved within a certain timeframe?

Why: Why is it happening? Why does it impact workflows?

How: How did this problem occur? How is it affecting workflows and team members from being productive?

Asking journalistic questions can help you define a strong problem statement so you can highlight the current situation objectively, and create a plan around that situation.

Here’s an example of how a design team uses journalistic questions to identify their problem:

Overarching problem: Design requests are being missed

Who: Design team, digital marketing team, web development team

What: Design requests are forgotten, lost, or being created ad hoc.

Where: Email requests, design request spreadsheet

When: Missed requests on January 20th, January 31st, February 4th, February 6th

How : Email request was lost in inbox and the intake spreadsheet was not updated correctly. The digital marketing team had to delay launching ads for a few days while design requests were bottlenecked. Designers had to work extra hours to ensure all requests were completed.

In this example, there are many different aspects of this problem that can be solved. Using journalistic questions can help you identify different issues and who you should involve in the process.

2. Brainstorm multiple solutions

If at all possible, bring in a facilitator who doesn't have a major stake in the solution. Bringing an individual who has little-to-no stake in the matter can help keep your team on track and encourage good problem-solving skills.

Here are a few brainstorming techniques to encourage creative thinking:

Brainstorm alone before hand: Before you come together as a group, provide some context to your team on what exactly the issue is that you're brainstorming. This will give time for you and your teammates to have some ideas ready by the time you meet.

Say yes to everything (at first): When you first start brainstorming, don't say no to any ideas just yet—try to get as many ideas down as possible. Having as many ideas as possible ensures that you’ll get a variety of solutions. Save the trimming for the next step of the strategy. 

Talk to team members one-on-one: Some people may be less comfortable sharing their ideas in a group setting. Discuss the issue with team members individually and encourage them to share their opinions without restrictions—you might find some more detailed insights than originally anticipated.

Break out of your routine: If you're used to brainstorming in a conference room or over Zoom calls, do something a little different! Take your brainstorming meeting to a coffee shop or have your Zoom call while you're taking a walk. Getting out of your routine can force your brain out of its usual rut and increase critical thinking.

3. Define the solution

After you brainstorm with team members to get their unique perspectives on a scenario, it's time to look at the different strategies and decide which option is the best solution for the problem at hand. When defining the solution, consider these main two questions: What is the desired outcome of this solution and who stands to benefit from this solution? 

Set a deadline for when this decision needs to be made and update stakeholders accordingly. Sometimes there's too many people who need to make a decision. Use your best judgement based on the limitations provided to do great things fast.

4. Implement the solution

To implement your solution, start by working with the individuals who are as closest to the problem. This can help those most affected by the problem get unblocked. Then move farther out to those who are less affected, and so on and so forth. Some solutions are simple enough that you don’t need to work through multiple teams.

After you prioritize implementation with the right teams, assign out the ongoing work that needs to be completed by the rest of the team. This can prevent people from becoming overburdened during the implementation plan . Once your solution is in place, schedule check-ins to see how the solution is working and course-correct if necessary.

Implement common problem-solving strategies

There are a few ways to go about identifying problems (and solutions). Here are some strategies you can try, as well as common ways to apply them:

Trial and error

Trial and error problem solving doesn't usually require a whole team of people to solve. To use trial and error problem solving, identify the cause of the problem, and then rapidly test possible solutions to see if anything changes. 

This problem-solving method is often used in tech support teams through troubleshooting.

The 5 whys problem-solving method helps get to the root cause of an issue. You start by asking once, “Why did this issue happen?” After answering the first why, ask again, “Why did that happen?” You'll do this five times until you can attribute the problem to a root cause. 

This technique can help you dig in and find the human error that caused something to go wrong. More importantly, it also helps you and your team develop an actionable plan so that you can prevent the issue from happening again.

Here’s an example:

Problem: The email marketing campaign was accidentally sent to the wrong audience.

“Why did this happen?” Because the audience name was not updated in our email platform.

“Why were the audience names not changed?” Because the audience segment was not renamed after editing. 

“Why was the audience segment not renamed?” Because everybody has an individual way of creating an audience segment.

“Why does everybody have an individual way of creating an audience segment?” Because there is no standardized process for creating audience segments. 

“Why is there no standardized process for creating audience segments?” Because the team hasn't decided on a way to standardize the process as the team introduced new members. 

In this example, we can see a few areas that could be optimized to prevent this mistake from happening again. When working through these questions, make sure that everyone who was involved in the situation is present so that you can co-create next steps to avoid the same problem. 

A SWOT analysis

A SWOT analysis can help you highlight the strengths and weaknesses of a specific solution. SWOT stands for:

Strength: Why is this specific solution a good fit for this problem? 

Weaknesses: What are the weak points of this solution? Is there anything that you can do to strengthen those weaknesses?

Opportunities: What other benefits could arise from implementing this solution?

Threats: Is there anything about this decision that can detrimentally impact your team?

As you identify specific solutions, you can highlight the different strengths, weaknesses, opportunities, and threats of each solution. 

This particular problem-solving strategy is good to use when you're narrowing down the answers and need to compare and contrast the differences between different solutions.

After you’ve worked through a tough problem, don't forget to celebrate how far you've come. Not only is this important for your team of problem solvers to see their work in action, but this can also help you become a more efficient, effective , and flexible team. But what, exactly, are problem-solving skills? What can you do to improve them? And if you’re looking for a new position, how can you show off your problem-solving skills during your job search to help you land an awesome job?

What Are Problem-Solving Skills and Why Are They Important?

“Problem-solving skills are skills that allow you to identify and define a situation that needs changing,” says Doug Noll , an attorney and adjunct faculty member at the Straus Institute of Dispute Resolution at Pepperdine University’s Caruso School of Law, where he teaches graduate-level classes in decision-making and problem-solving. Once you identify what needs changing, problem-solving skills also enable you to “identify the best outcomes, define potential processes for achieving the best outcomes, and evaluate how the process achieved (or failed to achieve) the desired outcome,” he says. “Every job imaginable involves problem-solving.”

Being able to effectively solve problems can help you succeed and impress, regardless of what kind of job you have or career you plan to pursue. “A person who sorts out problems and makes decisions—or at least brings potential solutions to the table—is seen as someone who can get things done,” says organizational consultant Irial O’Farrell , author of the upcoming book The Manager’s Dilemma: How to Empower Your Team’s Problem Solving . “This makes managers’ lives easier—and managers notice people who make their lives easier, who get things done, and who don’t have to be told [what to do] the whole time. In turn, opportunities are put their way, enhancing their career.”

And the further you progress in your career, the more important those skills become, Noll says. “As you rise in an organization, the problems become more complex, ambiguous, uncertain, and risky. Only people able to solve these types of problems are promoted.” So as you hone your problem-solving skills, you become more valuable to any organization—and will be able to climb the ladder more easily as a result.

The 6 Steps of Problem-Solving—and the Skills You Need for Each One

Problem-solving is a process. And, like any process, there are certain steps you need to take in order to get to the finish line:

Step #1: Identify and Assess the Problem

You can’t solve a problem if you don’t know what the problem is. So “the first step is to recognize that an issue—or potential issue—exists,” O’Farrell says. In order to do that, you’ll need “a certain amount of knowledge or awareness of what should be happening as compared to what is actually happening.”

Once you recognize there’s a problem, you’ll need to evaluate its potential impact. “Is this going to affect three people or 203 people? Is this going to cost us $10 or $100,000? How material is this issue?” O’Farrell says. “Being able to evaluate the size, impact, and costs [of a problem] is a key skill here.”

When you understand the scope of the problem, you’ll have a better idea of what you’re dealing with—and will be able to come up with appropriate, relevant solutions as a result.

Skills needed during this step of the problem-solving process include:

  • Attention to detail
  • Data collection
  • Forecasting

Step #2: Get to the Source of the Problem

Once you know what the problem is (and what its potential impact might be), it’s time to figure out where the problem is coming from or why it’s happening—as identifying the source of the problem will give you key insights into how to fix it.

“Often we notice a problem because of its symptoms, rather than its root cause. As a result, it is common to focus on resolving the symptoms, rather than what is causing the symptoms,” O’Farrell says. But “by understanding the root causes, a better, longer-term solution can be identified.”

There are a variety of techniques to help you dig deeper and understand what’s causing the problem at hand. For example, a 5 Whys analysis could help you uncover the root cause of a problem by having you ask “Why?” five times in a row, with each “Why?” building off the previous answer. Or you might try the fishbone diagram —also known as a cause-and-effect analysis—which encourages looking at the different categories that could be causing a problem and brainstorming potential root causes within each of those categories.

During this stage of the problem-solving process, curiosity is key; you’ll need it to explore all the different factors that could be contributing to the problem.

  • Critical thinking

Step #3: Brainstorm Potential Solutions

Once you’ve identified the problem (and the root of the problem), “the next step is to brainstorm potential options that will resolve it,” O’Farrell says.

How much brainstorming you’ll need to do will depend on the problem you’re dealing with. “If it’s a fairly small, straightforward issue, then identifying a few options might be sufficient,” O’Farrell says. Especially for a bigger issue, “Taking some time to think beyond the obvious might lead to a better and longer-term solution.”

The size and scope of the problem will also determine who needs to be involved in this step. In some cases, you may be able to brainstorm solutions yourself. But if you’re dealing with a larger, more complex issue, getting more people involved (and choosing the right people, i.e. those best equipped to handle the problem) is important. You’ll need to be able to judge what kind of problem it is and who to bring in to help and lead a productive brainstorming session.

One of the most important skills you’ll draw on at this stage is creativity. The more creative you are during your brainstorm, the more (and better) potential solutions you’ll be able to come up with—and the more likely one of those solutions will be the solution you’re looking for.

Skills you might need during this step of the problem-solving process include:

  • Communication
  • Meeting facilitation

Step #4: Evaluate Solutions

Once you have a list of potential solutions from your brainstorming session, the next step is to examine each one carefully and narrow down your list so only the best solutions remain.

In order to succeed during this stage of the problem-solving process, you’ll need to be able to dig into each potential solution and evaluate how viable it is. You may make a pros and cons list for each potential solution, talk through the benefits and drawbacks with your team, and then narrow down your options to the solutions that have the most potential upsides.

All the work you put into the problem-solving process up to this point will also come in handy as you’re evaluating which of your potential solutions might ultimately be the most effective. “Having a strong understanding of what the issue is, why it’s an issue, and what is causing it helps in being able to determine if each of the solutions will sort the issue out,” O’Farrell says.

Step #5: Choose the Best Solution

Once you’ve narrowed down your list of potential solutions—and weighed the pros and cons of each—it’s time for you (or your supervisor or another decision-maker) to choose one.

“Depending on the type and impact of the issue and your role and authority, you may be the one making the decision or you may be presenting the issue and potential solutions to your boss,” O’Farrell says.

Knowing who should make the call is a key part of this step; if the problem is complex or will have a major impact on your organization that goes beyond your level of responsibility, it’s probably best to bring potential solutions to your boss and/or other stakeholders—and give them the final say.

Step #6: Implement the Decision and Reflect on the Outcome

Choosing a solution in and of itself doesn’t fix anything. You need to actually implement that solution—and do it well. That means developing a plan and coordinating with other key players in your organization to put that plan into action—which requires a host of skills (such as communication, collaboration, and project management).

Before you can hang up your problem-solving hat, you’ll also need to “go back and evaluate if the solution sorted out the issue” or if it caused any unintended consequences, O’Farrell says.

For example, let’s say your organization has a problem with taking too long to address customer service requests—and you rolled out a new ticket management system in order to deal with the issue. Once you implement that new system, you’ll want to follow up to make sure it’s allowing your customer service reps to deal with requests faster and hasn’t caused any new, different, or unexpected issues (for example, tickets getting lost in the queue or customers being less satisfied with the quality of support they received).

How to Improve Your Problem-Solving Skills

Clearly, solving problems is a complex process—and it’s a process you need to nail if you want to grow in your career. But how can you improve your problem-solving skills so they can help you thrive in your career?

  • Put on your student hat. One of the best ways to improve here is to study how to effectively solve problems. “Read case studies of complex problems,” Noll says. (For example, if you want to land a marketing job, you might search for case studies on how other companies were able to increase their qualified leads or drive more traffic to their website.) Noll also suggests reading books about different problem-solving techniques—or, if you really want to level up your skills, investing in a general course in critical thinking and problem-solving. “A good course should teach you how to think,” he says—and critical thinking plays a huge role in problem-solving.
  • Try different brainstorming techniques. If you want to be a better problem solver, try pushing yourself to think outside of the box. “Learning some brainstorming techniques and expanding your thinking beyond the obvious solutions is also a way to make your problem-solving skills stand out,” O’Farrell says. Brainstorming techniques like brainwriting (a nonverbal brainstorming technique for teams) or rapid ideation (which pushes you to come up with as many ideas as possible in a short time frame) can help spark creative thinking—and help you become a more creative problem solver in the process.
  • Ask expert problem-solvers how they solve problems. People in your professional (or personal!) life who excel at solving problems can be a great resource for leveling up your own problem-solving skills. “Talk to senior mentors about how they approached complex problems,” Noll says. “Get them to talk about their failures and mistakes,” he says, not just their successes. Seeing how other people solve problems and what they’ve learned from their experiences can help you approach problems in a different way and can make you a more versatile problem solver.
  • Practice, practice, practice. Like with anything else, if you want to improve your problem-solving skills, you need to practice solving problems. “Most people jump to the easy, intuitive answer rather than [carefully thinking] through the problem,” O’Farrell says. So next time you’re confronted with a problem, rather than jump to a hasty solution, take your time to go through the entire problem-solving process. And if you don’t have any real problems to deal with? Attempting to solve hypothetical problems can be just as helpful.

How to Show Off Your Problem-Solving Skills During the Job Search

Recruiters and hiring managers are looking for people with problem-solving skills who can help them, their team, and their company achieve their goals even in the face of obstacles and setbacks. So if you want to stand out, nail the interview, and score the job, you’ll need to showcase your problem-solving skills throughout your job search.

Here are a few ways to show off your problem-solving skills:

On a Resume

You can show potential employers that you’re a problem solver right on your resume. As you write your bullets for each past job and other experiences, “Incorporate one main challenge that you had to overcome, and give a brief synopsis of how you approached it, what the solution was and, most importantly, what the positive outcome was,” O’Farrell says.

For example, let’s say you’re a marketing manager and you had to figure out a way to launch a new product with a minimal budget. Under your current role, you might include a bullet point that says:

  • Launched new sunscreen line across digital and traditional channels with <$10,000 budget by exploring up-and-coming distribution channels and negotiating wide-scale distribution agreements, bringing in $60,000 in new product sales within 90 days of launch

O’Farrell also recommends using action verbs (like “ analyze,” “evaluate,” or “identify”) to call out your problem-solving skills on a resume.

In a Cover Letter

In your cover letter, you’ll have more room and flexibility to showcase your problem-solving skills—and you should definitely take advantage of the opportunity.

Noll suggests using your cover letter to tell a quick story (think two to three sentences) about when and how you’ve solved a relevant problem. In your story, you want to include:

  • What the problem was
  • How you approached it/came to a solution
  • What the outcomes of your problem-solving were
  • What lessons you learned

Another strategy is to highlight how you would use your problem-solving skills within the context of the role you’re applying for. “I’d recommend reviewing the job description and identifying what types of problems you might have to deal with in the role,” O’Farrell says. Then you can speak directly to how you might approach them.

For example, let’s say you’re applying for an executive assistant position that requires extensive scheduling and calendar management for an exec who is often traveling for business. In that situation, you might explain how you’d solve the problem of scheduling while the exec is out of office (for example, by developing an appointment approval system that allows the exec to approve all appointment requests remotely, with a plan for how to notify the exec of appointment requests that need immediate attention).

During Interviews

The interview process offers the best opportunity for your problem-solving skills to shine, so you’ll want to come prepared.

“In preparation for the interview, select two to three situations where you used your problem-solving skills,” O’Farrell says. That way, when the interviewer asks you for examples of problems you’ve faced in your career—and how you solved them—you’ll have relevant stories ready. If you’re not sure how to tell your story effectively, the STAR method (which breaks down your story into four parts: S ituation, T ask, A ction, and R esult) can be helpful.

As a potential candidate, it’s also important to ask how you’ll need to use your skills on the job, Noll says. So you might ask the interviewers to share some of the issues or problems they’re hoping to solve by filling this position.

And if they turn around and ask you how you’d solve those problems? Don’t panic! If you have a story of a similar problem you’ve solved in the past, this is a great opportunity to share it. Otherwise, just talk through how you would approach it. Remember, the interviewers don’t expect you to come up with detailed solutions for problems their company is facing on the spot; they just want to get a sense of how you would begin to think about those problems if you were hired.

What Is Creative Problem-Solving?

Encountering problems with no clear cause can be frustrating. This occurs when there’s disagreement around a defined problem or research yields unclear results. In such situations, creative problem-solving helps develop solutions, despite a lack of clarity.

While creative problem-solving is less structured than other forms of innovation, it encourages exploring open-ended ideas and shifting perspectives—thereby fostering innovation and easier adaptation in the workplace. It also works best when paired with other innovation-based processes, such as design thinking .

Creative Problem-Solving and Design Thinking

Design thinking is a solutions-based mentality that encourages innovation and problem-solving. It’s guided by an iterative process that Harvard Business School Dean Srikant Datar outlines in four stages in the online course Design Thinking and Innovation :

  • Clarify: This stage involves researching a problem through empathic observation and insights.
  • Ideate: This stage focuses on generating ideas and asking open-ended questions based on observations made during the clarification stage.
  • Develop: The development stage involves exploring possible solutions based on the ideas you generate. Experimentation and prototyping are both encouraged.
  • Implement: The final stage is a culmination of the previous three. It involves finalizing a solution’s development and communicating its value to stakeholders.

Although user research is an essential first step in the design thinking process, there are times when it can’t identify a problem’s root cause. Creative problem-solving addresses this challenge by promoting the development of new perspectives.

Leveraging tools like design thinking and creativity at work can further your problem-solving abilities. Here are eight tips for doing so.

8 Creative Problem-Solving Tips

1. empathize with your audience.

A fundamental practice of design thinking’s clarify stage is empathy. Understanding your target audience can help you find creative and relevant solutions for their pain points through observing them and asking questions.

Practice empathy by paying attention to others’ needs and avoiding personal comparisons. The more you understand your audience, the more effective your solutions will be.

2. Reframe Problems as Questions

If a problem is difficult to define, reframe it as a question rather than a statement. For example, instead of saying, "The problem is," try framing around a question like, "How might we?" Think creatively by shifting your focus from the problem to potential solutions.

Consider this hypothetical case study: You’re the owner of a local coffee shop trying to fill your tip jar. Approaching the situation with a problem-focused mindset frames this as: "We need to find a way to get customers to tip more." If you reframe this as a question, however, you can explore: "How might we make it easier for customers to tip?" When you shift your focus from the shop to the customer, you empathize with your audience. You can take this train of thought one step further and consider questions such as: "How might we provide a tipping method for customers who don't carry cash?"

Whether you work at a coffee shop, a startup, or a Fortune 500 company, reframing can help surface creative solutions to problems that are difficult to define.

3. Defer Judgment of Ideas

If you encounter an idea that seems outlandish or unreasonable, a natural response would be to reject it. This instant judgment impedes creativity. Even if ideas seem implausible, they can play a huge part in ideation. It's important to permit the exploration of original ideas.

While judgment can be perceived as negative, it’s crucial to avoid accepting ideas too quickly. If you love an idea, don’t immediately pursue it. Give equal consideration to each proposal and build on different concepts instead of acting on them immediately.

4. Overcome Cognitive Fixedness

Cognitive fixedness is a state of mind that prevents you from recognizing a situation’s alternative solutions or interpretations instead of considering every situation through the lens of past experiences.

Although it's efficient in the short-term, cognitive fixedness interferes with creative thinking because it prevents you from approaching situations unbiased. It's important to be aware of this tendency so you can avoid it.

5. Balance Divergent and Convergent Thinking

One of the key principles of creative problem-solving is the balance of divergent and convergent thinking. Divergent thinking is the process of brainstorming multiple ideas without limitation; open-ended creativity is encouraged. It’s an effective tool for generating ideas, but not every idea can be explored. Divergent thinking eventually needs to be grounded in reality.

Convergent thinking, on the other hand, is the process of narrowing ideas down into a few options. While converging ideas too quickly stifles creativity, it’s an important step that bridges the gap between ideation and development. It's important to strike a healthy balance between both to allow for the ideation and exploration of creative ideas.

6. Use Creative Tools

Using creative tools is another way to foster innovation. Without a clear cause for a problem, such tools can help you avoid cognitive fixedness and abrupt decision-making. Here are several examples:

Problem Stories

Creating a problem story requires identifying undesired phenomena (UDP) and taking note of events that precede and result from them. The goal is to reframe the situations to visualize their cause and effect.

To start, identify a UDP. Then, discover what events led to it. Observe and ask questions of your consumer base to determine the UDP’s cause.

Next, identify why the UDP is a problem. What effect does the UDP have that necessitates changing the status quo? It's helpful to visualize each event in boxes adjacent to one another when answering such questions.

The problem story can be extended in either direction, as long as there are additional cause-and-effect relationships. Once complete, focus on breaking the chains connecting two subsequent events by disrupting the cause-and-effect relationship between them.

Alternate Worlds

The alternate worlds tool encourages you to consider how people from different backgrounds would approach similar situations. For instance, how would someone in hospitality versus manufacturing approach the same problem? This tool isn't intended to instantly solve problems but, rather, to encourage idea generation and creativity.

7. Use Positive Language

It's vital to maintain a positive mindset when problem-solving and avoid negative words that interfere with creativity. Positive language prevents quick judgments and overcomes cognitive fixedness. Instead of "no, but," use words like "yes, and."

Positive language makes others feel heard and valued rather than shut down. This practice doesn’t necessitate agreeing with every idea but instead approaching each from a positive perspective.

Using “yes, and” as a tool for further idea exploration is also effective. If someone presents an idea, build upon it using “yes, and.” What additional features could improve it? How could it benefit consumers beyond its intended purpose?

While it may not seem essential, this small adjustment can make a big difference in encouraging creativity.

8. Practice Design Thinking

Practicing design thinking can make you a more creative problem-solver. While commonly associated with the workplace, adopting a design thinking mentality can also improve your everyday life. Here are several ways you can practice design thinking:

  • Learn from others: There are many examples of design thinking in business . Review case studies to learn from others’ successes, research problems companies haven't addressed, and consider alternative solutions using the design thinking process.
  • Approach everyday problems with a design thinking mentality: One of the best ways to practice design thinking is to apply it to your daily life. Approach everyday problems using design thinking’s four-stage framework to uncover what solutions it yields.

The ability to solve problems effectively is one of the most valuable skills you can have.

Regardless your line of work, you’ve probably been faced with numerous situations, both in your personal and professional life , that required swift action to prevent further escalation of the problem. Whether you have to deal with an ongoing cross-department feud, staff shortages, project delivery delays or dysfunctional equipment, there are always fires that need to be put out at work.

Problem solving is often an intuitive process, but certain problems may require a more tactical and meticulous approach to ensure that they’re resolved successfully. In this article, we’ll walk you through the necessary steps you need to follow to become a better problem-solver at work — and beyond.

Step 1: Define the problem

Before you go into problem-solving mode, you must first establish what the problem is and get a solid understanding of all its components.

Start by answering a few questions, such as:

  • Who is involved?
  • What exactly happened?
  • What caused the situation?
  • Where did this problem occur?
  • Why did it happen?
  • What are the immediate effects of this problem?
  • How is this problem affecting others?
  • How is this problem affecting workflow?

By tackling some of these questions, you’ll be able to understand the full scale of the problem you’re facing, as well as all the aspects you’ll need to consider before you begin working on a solution.

Step 2: Collect feedback

If the problem at hand involves different people, then it's vital to let them offer their insights, too.

Each person may have a different view of what the problem is and what may be causing it. By allowing others to voice their concerns and share their perspective, you can gain a well-rounded understanding of the issue at hand. That said, to be able to come up with an effective solution, you must separate opinion from fact.

You must also take people’s interests into account. How is this problem affecting them? What solution would benefit them? Using tools such as surveys and hosting discussions could be an effective way to receive honest feedback and suggestions.

Step 3: Identify the source of the issue

Beyond defining the problem that you’re faced with, you may also need to identify the root of the problem. This will guide you towards a solution that not only fixes the problem that lies at the surface but also resolve a far deeper issue that could cause more problems to arise in the future.

Using the information you’ve collected, along with the feedback you received, you’ll be able to determine what may be the underlying cause of the problem you’re facing.

For example, you may be working on a collaborative project with colleagues from different departments and teams. However, you’re facing constant delays due to wires getting constantly crossed.

The apparent problem might be a lack of communication and team effort but, in reality, the source of the issue could be that the team didn’t come up with an action plan and set any clear objectives before embarking on the project. Therefore, to come up with a solution, you must first understand where the problem is stemming from.

Step 4: Brainstorm for solutions

Once you’ve determined what the problem is, it’s time to start brainstorming for ways to resolve it. Depending on the nature of the issue, you could brainstorm independently or have others participate in this process.

At this stage, you’ll need to take into consideration all the information, insights and feedback you have received to come up with appropriate solutions that could address the problem without creating new issues in the process.

Allow your imagination to run wild, and consider options from different angles. That said, give yourself a framework to work with; you’ll need to define what the objectives and desired outcomes of these solutions are, as well as any other considerations and limitations that need to be taken into account. You’ll also need to set a deadline, both for this step and the entire process ahead.

Step 5: Utilize problem-solving techniques

When faced with a problem that needs to be resolved quickly and effectively, there are a few techniques you can integrate within the process, including:

The five whys

Use this method to get to the root cause of a problem. Start by defining the problem and then ask why this is occurring. Your answer must be objective and grounded in fact. Then, ask why again in succession to your first answer. Repeat this process three more times, each time framing your “why” around your latest response.

Six thinking hats

This technique allows you to view the outstanding problem from six different perspectives; by the time you have ‘’tried’’ all the hats, you will have a richer insight into the situation. If you’re working on a problem as a team, each person can ‘’wear’’ a different hat.

The blue hat manages the decision-making process , focusing on summarizing all information. The green hat explores creative ideas and solutions. The red hat prioritizes emotions and feelings. The yellow hat focuses on the positive side of each idea. The white hat represents facts and figures. Finally, the black hat uses criticism to cancel out bad ideas.

Failure mode and effects analysis

With this method, you can identify potential failures and problems within your solution strategy. This could require a deeper analysis as well as previous data to support this process. In the end, you’ll be able to take preventative measures before you implement any solutions.

This technique facilitates discussion among bigger groups, helping them approach a problem in a more relaxed and creative setting. To start, create a space modeled after a café, and then let participants discuss and explore ongoing problems.

Step 6: Evaluate the alternatives

Once the brainstorming stage has been completed, you’ll need to evaluate your ideas, considering their merits and fallbacks.

The alternative you choose needs to meet certain criteria. For example, it needs to be aligned to the objectives and goals you established. Furthermore, you must ensure that everyone involved in this process agrees with the choice. More importantly, you should take the feasibility of this solution into account by considering budget constraints, resources, time, and company policies.

Utilizing SWOT analysis will certainly help here. With it, you can identify the strengths, weaknesses, opportunities and threats attached to each possible solution. Ultimately, this will allow you to select the most appropriate choice.

By measuring these alternatives against these guidelines, you’ll be able to evaluate them individually and determine which one is the wisest choice.

Step 7: Implement the chosen solution

So, you’ve defined the problem, brainstormed a solution, evaluated your options and made your choice on how to address the issue. Now, it’s time to create an implementation strategy and set its wheels in motion.

If you’re working on resolving a problem individually, then you’ll need to determine how to best implement the solution to the problem. Whether it’s a step-by-step action plan, a detailed to-do list or a multitiered scheme, breaking down the process in more digestible sections will help you get started.

Meanwhile, if you’re working as part of a team, tasks will need to be distributed accordingly and allocated to each team member based on their roles. It’s important to check in with others during this stage and ensure that the implementation strategy is going to plan. And in case it isn’t, you’ll need to reconvene accordingly.

Step 8: Monitor progress

Once you have implemented your solution, you’ll need to monitor the progress that is made. This will enable you to identify areas that might need to be adjusted or changed so that you can meet your initial objectives.

If this was a collective effort, then having open channels of communication with the rest of your team will help you gather necessary feedback, too.

Step 9: Document everything

An important step that you should enforce throughout this process is keeping a detailed record of everything. This could include minutes from brainstorming sessions, notes on the initial problem, and plans on the implementation strategy.

By doing so, you’ll be able to preserve everything that was discussed, considered and examined while working towards solving this problem, and it will also help you reevaluate certain decisions and outcomes as you monitor progress.

Seven Steps for Effective Problem Solving in the Workplace

Problem-solving and decision-making. Ask anyone in the workplace if these activities are part of their day and they answer ‘Yes!’ But how many of us have had training in problem-solving?  We know it’s a critical element of our work, but do we know how to do it effectively?

People tend to do three things when faced with a problem: they get afraid or uncomfortable and wish it would go away; they feel that they have to come up with an answer and it has to be the right answer; and they look for someone to blame. Being faced with a problem becomes a problem. And that’s a problem because, in fact, there are always going to be problems!

There are two reasons why we tend to see a problem as a problem: it has to be solved and we’re not sure how to find the best solution, and there will probably be conflicts about what the best solution is. Most of us tend to be “conflict-averse”. We don’t feel comfortable dealing with conflict and we tend to have the feeling that something bad is going to happen. The goal of a good problem-solving process is to make us and our organization more “conflict-friendly” and “conflict-competent”.

There are two important things to remember about problems and conflicts: they happen all the time and they are opportunities to improve the system and the relationships. They are actually providing us with information that we can use to fix what needs fixing and do a better job. Looked at in this way, we can almost begin to welcome problems! (Well, almost.)

Because people are born problem solvers, the biggest challenge is to overcome the tendency to immediately come up with a solution. Let me say that again. The most common mistake in problem solving is trying to find a solution right away. That’s a mistake because it tries to put the solution at the beginning of the process, when what we need is a solution at the end of the process.

Here are seven-steps for an effective problem-solving process.

1. Identify the issues.

  • Be clear about what the problem is.
  • Remember that different people might have different views of what the issues are.
  • Separate the listing of issues from the identification of interests (that’s the next step!).

2. Understand everyone’s interests.

  • This is a critical step that is usually missing.
  • Interests are the needs that you want satisfied by any given solution. We often ignore our true interests as we become attached to one particular solution.
  • The best solution is the one that satisfies everyone’s interests.
  • This is the time for active listening. Put down your differences for awhile and listen to each other with the intention to understand.
  • Separate the naming of interests from the listing of solutions.

3. List the possible solutions (options)

  • This is the time to do some brainstorming. There may be lots of room for creativity.
  • Separate the listing of options from the evaluation of the options.

4. Evaluate the options.

  • What are the pluses and minuses? Honestly!
  • Separate the evaluation of options from the selection of options.

5. Select an option or options.

  • What’s the best option, in the balance?
  • Is there a way to “bundle” a number of options together for a more satisfactory solution?

6. Document the agreement(s).

  • Don’t rely on memory.
  • Writing it down will help you think through all the details and implications.

7. Agree on contingencies, monitoring, and evaluation.

  • Conditions may change. Make contingency agreements about foreseeable future circumstances (If-then!).
  • How will you monitor compliance and follow-through?
  • Create opportunities to evaluate the agreements and their implementation. (“Let’s try it this way for three months and then look at it.”)

Effective problem solving does take some time and attention more of the latter than the former. But less time and attention than is required by a problem not well solved. What it really takes is a willingness to slow down. A problem is like a curve in the road. Take it right and you’ll find yourself in good shape for the straightaway that follows. Take it too fast and you may not be in as good shape.

Working through this process is not always a strictly linear exercise. You may have to cycle back to an earlier step. For example, if you’re having trouble selecting an option, you may have to go back to thinking about the interests.

This process can be used in a large group, between two people, or by one person who is faced with a difficult decision. The more difficult and important the problem, the more helpful and necessary it is to use a disciplined process. If you’re just trying to decide where to go out for lunch, you probably don’t need to go through these seven steps!

Don’t worry if it feels a bit unfamiliar and uncomfortable at first. You’ll have lots of opportunities to practice!

How are workplace environment problems assessed and evaluated?

Workplace environments problems are assessed and evaluated by completing an environmental scan conducted by an internal or external consultant .

The consultant assesses the workspace, employee interaction, culture, and leadership approaches to identify the problem and the elements supporting the issue.

There are methods and models associated with environmental scans that change experts and problem solvers use to conduct a thorough analysis of the organization for the purposes of change.

Using the effective method of Change Models

The consultant determines effective methods defined as “Change Models,” selected based on the organization’s objectives and strategic goals.

The consultant considers results from an evaluation process that provides a greater understanding of the organization on a micro-level by reviewing social, political, economic, legal, intercultural, and technology elements of the organization SPELIT (Schmeider-Ramirez and Mallette, 2007).

Implement the appropriate Change Model

SPELIT is one of several methods to use in the evaluation process of an organization. Once the consultant completes the evaluation and the problem(s) are identified, the next step is implementing the appropriate Change Model.

For example, an eight-step change model by Kotter is an easy-to-understand approach to identifying change steps in an organization (Kotter, 1996).

The Kotter model can be combined with a training approach, for example, Kirkpatrick’s four levels of training (Kirkpatrick, J.D., and Kirkpatrick, W.K., 2016).

Learn and identify the problem

An example of a learning problem could be a clinical setting needing to transition to electronic notes for client care and experiencing resistance to the change by the organization’s employees.

The evaluation is to identify if it is a:

  • Reaction problem
  • Learning problem
  • Behavior problem
  • Result problem

A consultant may start interviewing leadership, team manager, and workers to gain knowledge and comprehension of the problem.

Bloom’s Taxonomy (Bloom, 1972) can be used as a tool by the consultant to evaluate and identify the learning problem and the objectives that need to be implemented to create change.

The consultant will assess with surveys, interviews, discussions and design and implement training that supports the organization’s staff goals using electronic notes versus handwritten notes to maintain compliance with regulatory standards.

Many new “Leaders” in the workplace want to make an impression. While they are trying to make this impression, they overcomplicate problems and solutions.

They try to reinvent the wheel. Many times this will cause confusion, frustration, and double work.

An example of keeping it simple is (if you are a new Leader in a workplace):

  • Know that your team are the experts and have seen many of you come through.
  • Ask your team what we can do to make your process more accessible or better.
  • Let your team know that you trust them by giving them ownership in their process, and that will foster trust in you.
  • When your team comes to you with suggestions and/or problems, make sure you follow through with their requests.
  • Crowdsource or mastermind the problem, let the team solve the problem, and provide the resources.

Know your leading indicators and how to measure them

A VP told me one time that you can improve something if you aren’t measuring. To solve problems in the workplace , you first need to know the issues and how to measure them.

For example, in safety, I know my leading indicators are:

  • Have a Safety Team that meets regularly with a structured outline to follow.
  • Are we up to date with safety training?
  • Do we have leadership commitment? What are our follow up and follow through ratings?
  • Are employees engaged in safety? Do they feel comfortable reporting hazards or injuries?
  • Are we tracking near-miss incidents and correcting the hazards before it becomes an incident?
  • Do we have consistent and clean housekeeping?

So in closing, keep it simple, trust your team, and know your leading indicators to solve problems in the workplace.

Give your workers the presence and authority to fix client problems

The first step to solving those as they come up is to give your trusted workers the presence and authority to fix client problems.

That means making your worker the company’s “face” to a particular client and giving them the latitude to make decisions. That can empower both the worker and the client to solve problems before getting involved.

Of course, you still need to be on hand for big issues, but those should lessen as time goes on.

Have fewer formal meetings

Nothing stifles creativity faster than another boring all-hands meeting. Throw in a PowerPoint Presentation and a long agenda, and your workers have completely checked out.

Sometimes meetings are necessary, but real problem-solving more often takes place in smaller, unstructured brainstorming sessions with the most personally invested in a problem.

It’s essential that you maintain personal relationships with your workers. If they are having trouble with a particular project or presentation, you can stop by their office for a few minutes to hash out a solution.

Give your ideas time to marinate

In today’s business environment, we often prize speed above all else. After you have brainstormed a solution, it’s often good to get it on paper and then let it sit for a night before coming back with a clear head .

That’s not usually a good recipe for creativity.

If your project is time-sensitive, at least take an hour before returning to it . Creative problem-solving often needs time to work, so when you give ideas time to marinate, you and your clients will probably be happier with the solutions.

Ideas, opinions, suggestions, solutions, or violent reactions are voiced freely. The goal of this problem-solving technique is to make a list of recommendations that are acceptable to all members of the company.

After that, they further develop the best solution from one of the recommendations that they have all agreed on previously.

It can significantly increase group cohesion and team unity since the consensus decision-making technique allows everyone to participate freely without being judged harshly .

Use the devil’s advocate decision-making technique accordingly and moderately

This type of problem-solving technique allows the business organization to form a panel that will thoroughly scrutinize a group’s ideas and suggestions within the company.

The goal is to uncover weaknesses in the ideas and suggestions presented instantly.

However, this type of decision-making technique can only be implemented efficiently and effectively if the group presenting an idea, suggestion, or solution is open to receiving feedback and constructive criticisms.

It should be used moderately as this decision-making technique could sometimes add tension among group members within the company.

Make the current process faster, more efficient, or more accurate

One of my all-time favorite ways of problem-solving in the workplace is making the current process faster, more efficient, or more accurate.

Personally, I call this “operation consolidation,” and despite the corny nickname, trust me, when completed, everyone will be appreciative (at least in the long term).

The level of inefficiency and room for improvement is never-ending .

Every dashboard, database, or process often grows in size and complexity over time as everyone is interested in adding that extra field, messing with that new factor without stopping and thinking, “Do we still need and are we using some of the original ones?”

Evolution is constant and makes sense ; however, as the new fields are populated, and processes added, it makes sense to stop and do some much-needed spring cleaning.

This is similar to Coca-Cola’s recent culling of almost half of its portfolio (which only accounted for 5% of its sales). Likewise, every organization looks to subtract before adding on new ones.

So always look to simplify , cut in half , and get rid of the excess fat , whether meetings, overblown dashboards, or processes with too many layers and stakeholders – triage ruthlessly and watch the magic happen.

Allow each party to voice their solutions to the problem through brain dumping

Brain dumping allows each party to voice their solutions to the problem. Most conflicts involve an offender , defender , and mediator who decides on a resolution.

But opening the floor to suggestions helps implicated employees feel heard and understood, even if you don’t settle for their idea in the end.

Some people prefer to express their preferences in private, so you may want to conduct individual discussions before regrouping to resolve the issue.

Implement the 5-whys technique

Problem resolution can also take a coach’s approach by implementing the 5-whys technique. The 5-whys allows employees to discover the root of their conflict without directly involving the mediator.

Start the conversation by asking one party why they reacted to the situation offensively. Then, follow up their response by inquiring why they felt or thought that way.

By the time you get to the fifth “why,” everyone should have a clearer picture of how things unraveled.

It can transform the conflict into a collaboration development exercise

Overall, it encourages more empathy and reasoning in the problem-solving process.

Set a high standard for communication to solve this problem. Face-to-face communication is preferable whenever possible.

Phone conversations, emails, and texts are acceptable in an emergency, but they are insufficient to replace an utterly present dialogue.

Set suitable objectives and expectations

Make sure your staff grasps the essentials by referring to job descriptions. Convene a brainstorming session for unique initiatives and auxiliary goals, and define goals as a team .

Your staff could surprise you by establishing more challenging goals for themselves than you do.

Demonstrate your worth to a new team or yourself

Share your work description with your staff to solve the problem. Seriously, if you don’t already have one, make one .

It might be a once-in-a-lifetime opportunity. Communicate your priorities, and follow through on what you say you’ll do.

For example, I want you to consider this; the production team in a textile factory ensures that the conveyor belt functions correctly, products are manufactured in an orderly manner, and the daily target is met.

However, if it were not for the quality control department, there would be no one to approve of the items’ standards.

Alternatively, as is self-explanatory, there is no job left for quality control inspection teams to do without the production line workers.

This is a testament to the synchrony and flow of how multiple teams get together to solve problems in a sequence and help workplaces flourish.

Brainstorming as a group regarding challenges that the company may face

Another affordance that in-person, and to some extent its remote work counterpart, also provides is the ability to brainstorm as a group regarding challenges that the company may face.

For example, there may be a demand by the labor union to increase wage rates, and also a potential that there may be a strike or a peaceful protest for the same reason.

Group meetings in workplaces allow all the potential stakeholders to be impacted by a possible decision, to be present at one moment, and put their needs, demands, and terms forward.

Hence, in the case that wages are considered to be increased , production costs are going to be deemed to increase .

Managers may talk about possible increases in price. In contrast, customer relations department employees might want to chip in to negotiate on the matter with the managers, not compromise the needs of consumers.

This is how all stakeholders walkout in content, knowing their needs are recognized.

Manage the problem with patience and tact

Emotions and perspectives like self-importance, overconfidence, and arrogance can arise even in our best coworkers, clients, and people we report to.

These people may be very good at their job, but everyone occasionally gets it wrong . Stress, burnout, ill health, fear, and feelings of insecurity can be the causes of underlying disputes, poor judgment, and mistakes in the workplace.

It is important not to lose respect for them and remember they are not only as good as their last job. You can build trust by weathering the storm with them.

If you come out the other side together as partners because you managed the problem with patience and tact, the relationship will be strengthened, and cooperation will hopefully improve.

Some problems become unmanageable, and a person’s stubbornness and refusal to cooperate seem insurmountable. Money matters can be some of the most explosive issues of all.

One thing that can be done is to draw the person’s attention to the critical facts that decide the way forward in terms of financial concerns, rather than anyone enforcing a decision on others.

This will be a mutually valuable relationship. You will receive the help you need, and the person will gain experience in mentoring someone.

Making meaningful time to speak with your staff is a common concern. The best way to resolve this issue is to raise the bar for effective communication . Face-to-face communication is the best way to get things done.

There is no alternative to a face-to-face conversation, yet phone conversations, emails, and messages are okay in a pinch. Online aptitude, psychometric, and ability tests are a few examples of the exams that companies could administer to see how well you solve problems.

I found a way to deal with it. First, I need to see which is more important for my business, growth or quality.

As we all know, nothing in this world is perfect, but as a new developing firm in the market, I need to ensure my business provides quality to its customers.

When I figured it all out, I found that I would grow my organization if I could provide my customers with good quality satisfaction. That’s how I learned how to balance growth and quality to solve the problem.

Imagine an office where the buzz of collaboration is overshadowed by the intense focus of a solitary individual. The person in question is an INTJ , the lone wolf of the workplace.

INTJs are known for their analytical minds and strategic thinking, as well as their independent approach to problem-solving. But is that all there is to this personality type in the workplace? Let's explore 10 common workplace behaviors of a typical INTJ.

1. They see what's coming before others do

INTJs are the masterminds of long-term planning. In the workplace, they are often found devising comprehensive strategies for the company's future. They have a knack for anticipating changes and seeing opportunities before anyone else, making them valuable assets to any team.

This foresight can be incredibly beneficial for a company's growth, although it may sometimes lead to clashes with colleagues who prefer more immediate, short-term approaches. For instance, if a market shift is on the horizon, an INTJ might propose a bold new business strategy, while others are still focusing on day-to-day operations.

2. They prefer to fly solo

When it comes to work style, INTJs cherish their independence. They thrive on autonomy and often choose projects that allow them to work solo. This preference stems from their self-sufficient and confident nature—they believe that their skills are best utilized when they're not bogged down by group dynamics.

However, this doesn't mean that INTJs can't work in a team setting. They recognize the value of collaboration and will do so if it's necessary to achieve a goal. But given the choice, they would rather tackle tasks on their own.

3. They're not afraid to question how things are done

Critical thinking is second nature to INTJs. They are adept at identifying flaws and can be quite vocal about inefficiencies. Their insights can significantly improve processes and outcomes, but it can also rub some people the wrong way.

Imagine a scenario where a traditional process is causing delays. An INTJ will likely challenge the status quo and suggest a more efficient method, while others may prefer to stick with the familiar way of doing things. This tendency to question the norm can be perceived as disruptive, but it ultimately leads to progress and innovation.

4. They make decisions with confidence and clarity

INTJs are decisive and assertive when in leadership roles. They are not afraid to make tough calls and stand by their decisions. This decisiveness is a reflection of their inner confidence and structured thought process.

Their leadership can drive a team to success, but it's crucial for INTJs to ensure they remain open to feedback and alternative viewpoints. In a crisis situation, an INTJ leader is likely to quickly assess the options and make a firm decision, while others may still be gathering input and weighing alternatives.

5. They won't settle for anything less than perfect

The INTJ's work is often marked by a pursuit of perfection . They set high standards for themselves and their teams, which is a testament to their commitment to excellence. While this can lead to outstanding quality of work, it can also result in stress and frustration when those high standards are not met or when they feel others are not pulling their weight.

If a project's results are subpar, an INTJ will likely push for revisions and improvements, while colleagues might consider it "good enough" and move on. This can cause tension in a team dynamic, and it's important for INTJs to communicate their expectations clearly and balance their drive for perfection with realistic timelines and compromise.

6. They come up with solutions no one else thinks of

INTJs excel at solving complex problems with creative solutions. Their innovative approach is fueled by their open-mindedness and willingness to explore unconventional ideas. 

This trait can be a game-changer in driving projects forward, but it may also lead to misunderstandings with colleagues who are more comfortable with traditional methods. Faced with a seemingly insurmountable problem, an INTJ might devise an out-of-the-box strategy that initially confounds co-workers but ultimately proves effective.

7. They won't talk unless they have something important to say

Communication for INTJs tends to be reserved and direct. They prefer to share their thoughts in a clear and concise manner, avoiding unnecessary small talk . This directness ensures that their ideas are understood without ambiguity, but it can sometimes come across as brusque or unsociable to more extroverted colleagues.

In a meeting filled with lively discussion, an INTJ will likely remain silent until they have a well-formed idea to present, for example. To some people, that looks like they are disengaged, but in reality, the INTJ is gathering information and analyzing it before contributing.

8. They have a plan for everything

Organization is a hallmark of the INTJ's approach to work. They are systematic in their methods, often creating detailed plans and schedules. This organizational skill is a byproduct of their Judging trait, which drives them to structure their environment.

While this can greatly enhance efficiency, it's important for INTJs to stay flexible and adapt when unexpected changes occur. When a project kicks off, an INTJ will likely have a comprehensive plan in place from the start, while others may take a more iterative, flexible approach.

9. They're always looking to learn and grow

INTJs have an insatiable thirst for knowledge. They are lifelong learners, always seeking to expand their expertise. This behavior is linked to their Intuitive and Thinking traits, which fuel their desire to understand the world in depth.

Their expertise can be invaluable, but they must be careful not to become too isolated in their pursuit of knowledge. When new technology emerges, an INTJ will probably dive into mastering it immediately, while others might be content with a basic understanding that gets the job done.

10. They keep their feelings out of their decisions

Lastly, INTJs are known for their objectivity. They analyze situations without letting personal feelings cloud their judgment. This ability to remain detached is beneficial when making unbiased decisions, though perhaps the INTJ should remember the human element in the workplace and to consider the emotional impact of their actions.

For example, suppose a personnel change is needed. An INTJ will make the decision based on logic and performance metrics, while others might consider personal relationships and team dynamics more heavily.  Finding a balance between objectivity and empathy can help INTJs become more effective leaders.

While the INTJ's work style may seem peculiar to some, their unique combination of traits can bring valuable insights and innovation to a team.  They're the type you want by your side in a crisis, and their drive for perfection can lead to exceptional results. However, they must remember to stay open to feedback and consider the feelings of others in order to maintain strong working relationships.
