Industry Analysis

According to Business Wire, the party supply rental industry is currently valued at $2,131 million USD and is expected to grow at a CAGR of 14.55% from now until 2027. This shows that the industry is in high demand and that many people around the country require our services to make their party a success.

There are two major factors affecting this growth. The first is the rise in disposable income. As more people have disposable income to spend on parties and other enjoyable experiences, there will be a rise in how many people plan extravagant weddings, parties, and other events. As such, companies like Sonny’s Party Rentals will be in higher demand.

The second factor affecting this growth is the end of the pandemic. For several years, group gatherings were unsafe, so few people were planning large parties and events. Now that the pandemic is over, people are taking full advantage of being able to enjoy time with their loved ones again. As such, we are seeing a dramatic rise in large weddings and parties.

Customer Analysis

Demographic profile of target market, customer segmentation.

  • Corporate events

Competitive Analysis

Direct and indirect competitors.

Sonny’s Party Rentals will face competition from other companies with similar business profiles. A description of each competitor company is below.

Rick’s Party Rentals

For nearly a decade, Rick’s Party Rentals has been a popular source of party supplies and furniture for the residents of the Pacific Northwest. They have an extensive selection of party supplies for their customers, including tents, furniture, dishware, and decorations.

Rick’s is the perfect place for those who want to create a full party experience without worrying about the cost. Their rentals are moderately priced, which makes Rick’s rentals very popular in the area. However, the low costs result in lower-quality products. Those who require premium and elegant supplies for their party will be more inclined to rent with Sonny’s Party Rentals.

The Party Warehouse

The Party Warehouse has been a major supplier for local parties and events for decades. Every item that a person could want for their special event is sold at The Party Warehouse. This includes tents, tables, chairs, linens, lighting, dishes, and more.

While The Party Warehouse has a very successful business model, their items are mass produced so they do not have the same quality as the items that Sonny’s will offer. As such, many people who want everything to be perfect for their event will prefer to rent from Sonny’s.

The Wedding Store

Established in 2015, The Wedding Store has been one of the most popular businesses in the region to rent wedding furniture and supplies. The Wedding Store is a wholly online store that rents out wedding furniture, decorations, and other supplies to make every wedding a dream come true.

Though The Wedding Store will continue to thrive, the store is completely online, so customers cannot see their items in person until they are delivered. Many customers want to actually see the furniture and decorations before deciding which items to rent. Furthermore, The Wedding Store only supplies rentals for weddings. As such, they will only be a minor competitor since Sonny’s caters to all special events.

Competitive Advantage

Sonny’s Party Rentals will be able to offer the following advantages over their competition:

  • Management : Sonny’s Party Rentals’ management team has years of industry and marketing experience that allows the company to market to and serve customers in a much more sophisticated manner than competitors.

What is a Party Rental Business Plan?

A business plan provides a snapshot of your party rental business as it stands today, and lays out your growth plan for the next five years. It explains your business goals and your strategies for reaching them. It also includes market research to support your plans.

Why You Need a Business Plan for a Party Rental Business

If you’re looking to start a party rental business or grow your existing party rental company, you need a business plan. A business plan will help you raise funding, if needed, and plan out the growth of your party rental business to improve your chances of success. Your party rental business plan is a living document that should be updated annually as your company grows and changes.

Sources of Funding for Party Rental Businesses

With regards to funding, the main sources of funding for a party rental business are personal savings, credit cards, bank loans, and angel investors. When it comes to bank loans, banks will want to review your business plan (hand it to them in person or email to them as a PDF file) and gain confidence that you will be able to repay your loan and interest. To acquire this confidence, the loan officer will not only want to ensure that your financials are reasonable, but they will also want to see a professional plan. Such a plan will give them the confidence that you can successfully and professionally operate a business. Personal savings and bank loans are the most common funding paths for party rental companies.

How to write a business plan for a party rental business.

If you want to start a party rental business or expand your current one, you need a business plan. The guide and sample below details the necessary information for how to write each essential component of your party rental business plan.

Executive Summary

Your executive summary provides an introduction to your business plan, but it is normally the last section you write because it provides a summary of each key section of your plan.

The goal of your executive summary is to quickly engage the reader. Explain to them the kind of party rental business you are running and the status. For example, are you a startup, do you have a party rental business that you would like to grow, or are you operating a chain of party rental businesses?

Next, provide an overview of each of the subsequent sections of your plan.

  • Give a brief overv iew of the party rental industry.
  • Discuss the type of party rental business you are operating.
  • Detail your direct competitors. Give an overview of your target customers.
  • Provide a snapshot of your marketing strategy. Identify the key members of your team.
  • Offer an overview of your financial plan.

Company Overview

In your company overview, you will detail the type of party rental business you are operating.

For example, you m ight specialize in one of the following types of party rental businesses:

  • Full-service party rental retail store : This is the store to visit when you need everything from A to Z for your next party. Whether it’s chairs and tables, linens, or special cooking equipment, this store delivers your items and picks them up after your party.
  • Partial-service party rental store : You may choose everything you need for your party at this type of party rental store; however, you will need to provide transport to pick up and return all party rental items the next day.
  • Online party rental business: An online party rental store generally has excellent pricing; however, you will need to go to various locations to pick up and return party items. This may involve visiting more than one location for various items, as the online store doesn’t have a brick and mortar store location.

In addition to explaining the type of party rental business you will operate, the company overview needs to provide background on the business.

Include answers to questions such as:

  • When and why did you start the business?
  • What milestones have you achieved to date? Milestones could include the number of rentals serviced, the number of positive social media reviews, reaching X number of customers served, etc.
  • Your legal business structure. Are you incorporated as an S-Corp? An LLC? A sole proprietorship? Explain your legal structure here.

Industry Analysis

In your industry or market analysis, you need to provide an overview of the party rental industry.

While this may seem unnecessary, it serves multiple purposes.

First, researching the party rental industry educates you. It helps you understand the market in which you are operating.

Secondly, market research can improve your marketing strategy, particularly if your analysis identifies market trends.

The third reason is to prove to readers that you are an expert in your industry. By conducting the research and presenting it in your plan, you achieve just that.

The following questions should be answered in the industry analysis section of your party rental business plan:

  • How big is the party rental industry (in dollars)?
  • Is the market declining or increasing?
  • Who are the key competitors in the market?
  • Who are the key suppliers in the market?
  • What trends are affecting the industry?
  • What is the industry’s growth forecast over the next 5 – 10 years?
  • What is the relevant market size? That is, how big is the potential target market for your party rental business? You can extrapolate such a figure by assessing the size of the market in the entire country and then applying that figure to your local population.

Customer Analysis

The customer analysis section of your party rental business plan must detail the customers you serve and/or expect to serve.

The following are examples of customer segments: individuals, families, party groups and corporations.

As you can imagine, the customer segment(s) you choose will have a great impact on the type of party rental business you operate. Clearly, individuals would respond to different marketing promotions than corporations, for example.

Try to break out your target customers in terms of their demographic and psychographic profiles. With regards to demographics, including a discussion of the ages, genders, locations, and income levels of the potential customers you seek to serve.

Psychographic profiles explain the wants and needs of your target customers. The more you can recognize and define these needs, the better you will do in attracting and retaining your customers. Ideally you can speak with a sample of your target customers before writing your plan to better understand their needs.

Competitive Analysis

Your competitive analysis should identify the indirect and direct competitors your business faces and then focus on the latter.

Direct competitors are othe r party rental businesses.

Indirect competitors are other options that customers have to purchase from that aren’t directly competing with your product or service. This includes stores that sell tables, chairs, linens, etc., online stores that sell party items, and DIY services for parties. You need to mention direct competition, as well.

For each direct competitor, provide an overview of their business and document their strengths and weaknesses. Unless you once worked at your competitors’ businesses, it will be impossible to know everything about them. But you should be able to find out key things about them such as

  • What types of customers do they serve?
  • What type of party rental business are they?
  • What is their pricing (premium, low, etc.)?
  • What are they good at?
  • What are their weaknesses?

With regards to the last two questions, think about your answers from the customers’ perspective. And don’t be afraid to ask your competitors’ customers what they like most and least about them.

The final part of your competitive analysis section is to document your areas of competitive advantage. For example:

  • Will you provide options for delivery and pick up of party supplies?
  • Will you offer products or services that your competition doesn’t?
  • Will you provide better customer service?
  • Will you offer better pricing?

Think about ways you will outperform your competition and document them in this section of your plan.

Marketing Plan

Traditionally, a marketing plan includes the four P’s: Product, Price, Place, and Promotion. For a party rental business plan, your marketing strategy should include the following:

Product : In the product section, you should reiterate the type o f party rental company that you documented in your company overview. Then, detail the specific products or services you will be offering. For example, will you provide a petting zoo experience, a holiday-themed party setup and take down, or a casino or bingo fundraiser setup and take down?

Price : Document the prices you will offer and how they compare to your competitors. Essentially in the product and price sub-sections of yo ur plan, yo u are presenting the products and/or services you offer and their prices.

Place : Place refers to the site of your party rental company. Document where your company is situated and mention how the site will impact your success. For example, is your party rental business located in a busy retail district, a business district, a standalone office, or purely online? Discuss how your site might be the ideal location for your customers.

Promotions : The final part of your party rental marketing plan is where you will document how you will drive potential customers to your location(s). The following are some promotional methods you might consider:

  • Advertise in local papers, radio stations and/or magazines
  • Reach out to websites
  • Distribute flyers
  • Engage in email marketing
  • Advertise on social media platforms
  • Improve the SEO (search engine optimization) on your website for targeted keywords

Operations Plan

While the earlier sections of your business plan explained your goals, your operations plan describes how you will meet them. Your operations plan should have two distinct sections as follows.

Everyday short-term processes include all of the tasks involved in running your party rental business, including answering calls, planning and providing rental equipment, linens, furnishings, etc.

Long-term goals are the milestones you hope to achieve. These could include the dates when you expect to book your Xth party rental delivery, or when you hope to reach $X in revenue. It could also be when you expect to expand your party rental business to a second location.

Management Team

To demonstrate your party rental business’ potential to succeed, a strong management team is essential. Highlight your key players’ backgrounds, emphasizing those skills and experiences that prove their ability to grow a company.

Ideally, you and/or your team members have direct experience in managing party rental businesses. If so, highlight this experience and expertise. But also highlight any experience that you think will help your business succeed.

If your team is lacking, consider assembling an advisory board. An advisory board would include 2 to 8 individuals who would act as mentors to your business. They would help answer questions and provide strategic guidance. If needed, look for advisory board members with experience in managing a party rental business or successfully working in an equipment rental store.

Financial Plan

Your financial plan should include your 5-year financial statement broken out both monthly or quarterly for the first year and then annually. Your financial statements include your income statement, balance s heet, and cash flow statements.

Income Statement

An income statement is more commonly called a Profit and Loss statement or P&L. It shows your revenue and then subtracts your costs to show whether you turned a profit or not.

In developing your income statement, you need to devise assumptions. For example, will you see 25 customers per week, and/or offer large-group rental discounts ? And will sales grow by 2% or 10% per year? As you can imagine, your choice of assumptions will greatly impact the financial forecasts for your business. As much as possible, conduct research to try to root your assumptions in reality.

Balance Sheets

Balance sheets show your assets and liabilities. While balance sheets can include much information, try to simplify them to the key items you need to know about. For instance, if you spend $50,000 on building out your party rental business, this will not give you immediate profits. Rather it is an asset that will hopefully help you generate profits for years to come. Likewise, if a lender writes you a check for $50,000, you don’t need to pay it back immediately. Rather, that is a liability you will pay back over time.

Cash Flow Statement

Your cash flow statement will help determine how much money you need to start or grow your business, and ensure you never run out of money. What most entrepreneurs and business owners don’t realize is that you can turn a profit but run out of money and go bankrupt.

When creating your Income Statement and Balance Sheets be sure to include several of the key costs needed in starting or growing a party rental business:

  • Cost of rental furnishings, linens and equipment
  • Payroll or salaries paid to staff
  • Business insurance
  • Other start-up expenses (if you’re a new business) like legal expenses, permits, computer software, and equipment

Attach your full financial projections in the appendix of your plan along with any supporting documents that make your plan more compelling. For example, you might include your office location lease or a list of contracted parties booked six months ahead.

Writing a business plan for your party rental business is a worthwhile endeavor. If you follow the template above, by the time you are done, you will truly be an expert and know everything you need about how to start a party rental business. You will understand the party rental industry, your competition, and your customers. You will develop a marketing strategy and will understand what it takes to launch and grow a successful party rental business.

Table of Contents

What is a party supply rentals business, how do i find customers for my party supply rentals business.

A party supply rental business offers party decorations and equipment to customers for a fee. Popular items include tables, chairs, linens, and tableware. These businesses also often offer various party props such as inflatables and photo booths. Party supply rental companies can provide a one-stop shop for party planners, allowing them to save time and energy instead of having to source decorations from multiple vendors.

Some businesses may even offer event planning services in addition to party rentals. Whether they’re throwing a birthday party or corporate event, party supply rentals can make their celebration a memorable one.

Why would I want to start a Party Supply Rentals business?

Considering starting a party supply rentals business? Great choice! The party rental industry is booming, and there are tons of opportunities for entrepreneurs to get involved. Here are just a few reasons why you should start a party supply rentals business:

business plan for party equipment rental

Flexibility

Starting a party supply rental business can provide flexibility for the owner in terms of scheduling, inventory, and even location. Unlike traditional party supply stores where the owner needs to be available during certain hours and carry a set inventory of supplies, party rental businesses often work directly with clients to determine their specific needs and schedule delivery or pick-up times that work best for both parties. This also means that the owner can potentially run the business from their home or a small office space, reducing overhead costs. And because party rentals are often needed for one-time events or specific occasions, there is less pressure to constantly replenish inventory compared to a traditional party store. Overall, starting a party rental business can offer the owner a level of freedom and flexibility not found in other party supply options.

Rewarding Work

Owning a party supply rental business can be incredibly rewarding work. Not only do you get to help clients plan and execute their celebrations, but you also get to see the joy on their faces when they experience the finished product. Many people underestimate the amount of effort and organization that goes into parties and events, so being able to assist them in making it all come together is a valuable service. And as an owner, you have the chance to build relationships with your clients, providing them with personalized recommendations and attention to detail. Plus, there’s always something new and exciting happening in the world of party planning, allowing you to continuously expand your expertise and training as a business owner. So if you’re looking for fulfilling work that allows for creativity and customer satisfaction, consider starting a party supply rental business.

Low Cost of Entry

Starting a party supply rentals business can be surprisingly affordable for entrepreneurs. Many of the required materials, such as tables and chairs, can be purchased used at a fraction of their original cost. On top of that, savvy business owners can purchase inventory from suppliers during off-peak seasons when prices are lower. Even big ticket rental items, like bounce houses or inflatable slides, can often be rented rather than bought outright. This low cost of entry means that party supply rentals can be a great option for individuals looking to start their own small business with minimal initial investment. In addition, the relatively low overhead and operating expenses mean that profits can potentially be higher compared to other industries. Ultimately, starting a party supply rentals business is an exciting opportunity for individuals interested in owning their own small business without breaking the bank.

High Demand

When it comes to throwing a successful event, the devil is in the details. The right decor, table settings, and equipment can make or break a gathering, but purchasing all these items for one-time use can quickly add up. This is where party supply rental businesses come in – by renting rather than buying, event organizers can save money and have access to a wider range of choices. And for the business owner, this high demand translates into steady profit year-round. From birthdays to weddings to corporate events, party supply rentals are always in need – whether it’s tables and chairs for an outdoor barbecue or ice sculptures and champagne towers for a black tie gala. As long as there are parties to be had, party supply rental businesses will continue to thrive.

Starting a party rental business is a great way to be your own boss, set your own hours, and help people make their special occasions even more memorable.

How do I start a Party Supply Rentals business?

Congratulations on your decision to become a business owner! Starting a party supply rentals business can be a very rewarding experience. Not only will you be your own boss, but you’ll also be able to help people make their special occasions even more memorable.

Of course, starting any business comes with its share of challenges. But don’t worry, we’re here to help. In this section, we’ll give you a step-by-step guide on how to start a party supply rentals business. So let’s get started!

Develop a business plan.

When creating a business plan for a party supply rental company, the first step is to define your target market. Are you catering to small private parties or large corporate events? Will you be offering primarily children’s birthday party supplies or wedding decorations? Once you have identified your niche, research competitors in the area and analyze their prices and offerings. Next, outline a budget for start-up costs as well as ongoing expenses such as rental storage space and employee wages. Create a pricing structure for renting out your supplies and consider additional sources of income such as delivery fees or late return penalties. Finally, develop a marketing strategy to reach potential customers and maintain repeat business. By taking the time to carefully craft a comprehensive business plan, you are setting yourself up for success in the party supply rental industry.

Choose a legal structure for your business.

Starting a business can be exciting, but it also requires careful consideration of important decisions like choosing a legal structure. One option for a party supply rental business is to become a limited liability company (LLC). This structure offers the benefits of both a corporation and a partnership. Similar to a corporation, an LLC offers protection from personal liability for debts and lawsuits related to the business. Like a partnership, an LLC allows for flexible management and distribution of profits among the owners. It’s also easy to set up and maintain, with less stringent regulations than for corporations. Of course, there are other options to consider as well – for example, operating as a sole proprietorship or partnership – so it’s important to weigh the pros and cons before making a decision. Ultimately, selecting the right legal structure can help ensure the success and longevity of your party supply rental business.

Obtain the necessary licenses and permits

Starting a party rental business can be exciting, but it’s important to make sure you have all the necessary licenses and permits. Check with your local government to find out what is required for your specific business. This might include a general business license and any licenses or permits for specific equipment, such as inflatables or tents. Don’t forget to also look into whether you need insurance for your equipment and any potential liability issues. It may take some time to obtain these documents, so it’s best to start early in order to avoid last minute delays. Being properly licensed and permitted not only ensures compliance with regulations, but it also shows potential clients that you are a responsible, professional business.

Find a location for your business

Now it’s time to find a location for your party supply rentals business! If you’re planning on renting out physical space like an office or warehouse, be sure to check with your local zoning board to make sure it’s zoned for commercial use. And if you’re going to be delivering party supplies directly to people’s homes or venues, make sure you have adequate storage space in a safe location.

Purchase insurance for your business

When starting a party rentals business, it’s important to consider purchasing insurance. This can protect you in the case of damage or accidents with your equipment. In fact, some venues may require proof of insurance before allowing you to operate on their premises. Additionally, having insurance can also provide peace of mind for both you and your customers. It shows that you take the necessary steps to prepare for potential issues, and it can give clients the confidence to trust in your services. Before purchasing a policy, make sure to do your research and determine what coverage is best for your specific needs and circumstances. Don’t risk losing everything – protect yourself and your business with rental insurance.

Starting a party supply rentals business can be a very rewarding experience – but it’s not without its challenges. By following the steps outlined in this section, you’ll be well on your way to getting your new venture off the ground!

How much does it cost to start a Party Supply Rentals business?

So you want to start a party supply rentals business? That’s great! The party rental industry is booming, and there’s never been a better time to get started. But before you jump in headfirst, it’s important to understand the costs associated with starting a party rental business. In this section, we’ll give you a detailed breakdown of the major costs you’ll need to consider when starting your business.

Cost of goods

This is the most important cost to consider when starting your party supply rentals business. To get started, you’ll need to purchase or lease a warehouse space to store your inventory. You’ll also need to purchase insurance to protect your inventory in case of damage or theft. Additionally, you’ll need to purchase the actual party supplies that you’ll be renting out (tables, chairs, tablecloths, etc.). The cost of goods will vary depending on the size and scope of your business.

Labor costs

In addition to the cost of goods, you’ll also need to consider labor costs when starting your party supply rentals business. If you plan on running the business yourself, you won’t have any labor costs. However, if you plan on hiring employees, you’ll need to factor in the cost of their salaries and benefits. Additionally, if you plan on hiring independent contractors to help with set-up and tear-down of events, you’ll need to factor in their fees as well.

Marketing and advertising costs

To get your party supply rentals business off the ground, you’ll need to invest in marketing and advertising. This will include the cost of designing and printing marketing materials (business cards, flyers, etc.), as well as the cost of online advertising (Google AdWords, Facebook ads, etc.). The amount you spend on marketing and advertising will vary depending on the size and scope of your business.

Startup costs for a Party Supply Rental Business

Finally, you’ll need to consider startup costs when starting your party supply rentals business. These are one-time costs that are typically associated with launching a new business, such as legal fees, licenses and permits, meeting space rental fees, etc. The amount you spend on startup costs will vary depending on the size and scope of your business.

As you can see, there are a number of different factors that go into the cost of starting a party supply rentals business. The key is to do your research upfront so that you have a clear understanding of all the costs involved before making any decisions. By understanding all the costs associated with starting a party rental business, you’ll be in a much better position to succeed in this rapidly growing industry!

Marketing your party supply rentals business can be a daunting task. After all, there are so many other businesses out there vying for the attention of potential customers. But don’t despair! With a little creativity and hard work, you can make your business stand out from the crowd. Here are some ideas to get you started.

Start by creating a list of potential customer types.

When you’re thinking about how to find customers for your party supply rentals business, it’s important to start by creating a list of potential customer types. That way, you’ll have a better idea of who your target market is and where to find them. For example, some potential customer types for a party supply rental business include event planners, businesses that host events, and individuals planning parties or special occasions.

Get involved in your local community.

One of the best ways to promote your party supply rentals business is to get involved in your local community. Attend community events, sponsor a Little League team, or donate to a local charity. When people see that you’re invested in making your community a better place, they’ll be more likely to do business with you.

Make sure your website is up-to-date and informative.

In today’s digital age, potential customers will almost certainly visit your website before they ever step foot in your store. Make sure your site is user-friendly and provides all the information potential customers might be looking for. Include clear photos of your products, rental prices, and contact information.

Use social media to your advantage.

Social media is a powerful tool that can be used to promote your party supply rentals business. Post interesting photos and articles related to party planning, and be sure to include a link to your website in every post. You should also take advantage of social media advertising platforms like Facebook and Instagram to reach even more potential customers.

Promoting your party supply rentals business doesn’t have to be difficult or expensive. By getting involved in your community, making sure your website is informative and user-friendly, and taking advantage of social media platforms, you can reach new customers and grow your business.

A full guide on how to start a party rental business

16 min read

The party rental industry has been a whirlwind these last two years. Since lockdowns and social distancing were enforced, the whole party scene disappeared overnight.

But now that restrictions have eased up, people have begun to embrace partying again as they gather together to socialize or converse. It's easy to see why: parties have existed since the dawn of man, and people will always seek to gather together when an opportunity for celebration arises. Whether it's a wedding, a birthday party, or a corporate event — there's always a good reason to throw a party!

So, starting a party rental business isn't a bad business idea since the global economy is recovering and events are popping up left and right.

The party supply rental industry deals with providing the necessary resources for a particular party to be successful. This can include the rental of event venues such as a building or room space, chairs, tables, tents, cooking, and sound equipment. These equipment are either rented by organizations or individuals for the success of their event.

This detailed article will provide a complete guide on starting a party rental business and running it. Keep reading and start your company in this massive and trending industry.

Create a party rental business plan

When starting a party rental business, it would be wise to go with what you know. So, if you, for example, worked as a wedding receptionist at one point, maybe you should start a wedding rental business as you already know how the industry operates.

Let's go over what starting a party rental business requires, a few different business types, and then explore some of the essential steps to launching your business – including understanding the market, identifying competitors, and forecasting inventory costs.

party-rental-website

Different types of party rental businesses

Before we get into how to start a party rental business or an event rental business, we understand that a bit of inspiration would be helpful. There are as many party rental business niches for every type of event and need out there. A few of these include:

Event planning and production companies

While the core business might be on the event planning and design side of things, an equipment rental business can provide a solid secondary income source.

There are several types of event production companies, some focusing on corporate events and some on private parties. Either way, if you have found it difficult to find equipment suppliers to match your needs, you might be on the verge of something. There are likely more people who have struggled with the same issues.

So, why not expand to the rental business?

Wedding rental business

Many consider a wedding the most important day in a romantic couple's life. So, it's no surprise they need some help making it all happen. Don't get all lovey-dovey on us, though; this is a seriously lucrative market that new business owners always try to break into.

To be in the wedding rental industry, you don't necessarily have to be able to offer hundreds of seats and tables. It could be as simple as providing decorations for different styles, including boho decor, lighting, dry flowers, table centerpieces, and all that stuff that might seem pointless to buy for that one day.

You can quickly start building your business up from there by doing a little research on the most popular wedding styles and venues.

AV Equipment rental business

Yet another profitable rental business you can start. One advantage of this business is that people will always need your services as long as there are events. Since AV equipment is so expensive and only necessary once in a blue moon, local event planners and individuals prefer to rent than buy.

Again, this is one of those industries that doesn't necessarily mean that you have to have the biggest sound systems or latest camera equipment; you can also start small and offer smaller speakers, mic setups, and smoke machines and build your way up.

This is also an ideal business model if you already own many of these things, whether because of your hobbies or something else. So while you're not using your equipment, you can just rent it out and ensure you're getting your money's worth of your investment.

Bounce house rental business

Bounce house rental businesses are becoming increasingly popular, especially among parents of young children. These businesses provide inflatable bounce houses for rent, often for birthday parties or other events — private or public.

They are usually staffed by one or more people who set up the bounce house and supervise it during use. Many bounce house rental businesses also offer other inflatable products, such as slides and obstacle courses.

Whether you're looking to add some excitement to a kids' birthday party or want to relive your childhood at a variety of events, a bounce house rental business can provide hours of fun for all ages.

Kitchen equipment rental business

It isn't a party without any food, right? One key tip to keep in mind with this particular business is that less is more. Rather than buying every kitchen equipment and utensil, only buy the essentials that most clients are asking for. Otherwise, you risk collecting useless inventory.

These are just a few different party rental business types. Other ones that have been gaining popularity recently:

Event venues

Catering companies

Photobooth rentals

Glamping and tent rental services

Seasonal event rentals (e.g., Christmas decorum)

Birthday decoration rental services

Do market research

A party rental business is a simple business idea that can make good money, especially when done full-time. As much as you can dive in headfirst by buying equipment and advertising your party rental company, it would be wise to understand how the industry works. This includes:

researching the market

getting contacts for wholesalers and other people in the industry

figuring out where to acquire the necessary supplies

You can't forget that no successful party rental business can fly without a solid business plan and go-to-market strategy .

Despite a lucrative industry, you might not get the best out of it without proper market research. The best way to do this is to determine who requires event rental services and define your target audience.

Since this is a diverse industry, your target market might be found in the most unexpected places like sports organizations, prominent business people, religious organizations, and cultural centers, to mention a few. Market research will help you establish clients' different preferences and needs and offer the best services for your potential customers.

→ Get started with our guide to financial planning and budgeting .

Identify your main competitors

As mentioned earlier, this is a fast-growing industry with a lot of demand. It will have an influx of rental businesses that operate in your area. Find out who your main competitors are, what they're doing, and what makes them successful – this will also give a pretty good idea of what kind of demand there is for different services.

If you're just starting and there's a prominent competitor in your area, don't be discouraged! Having already successful rental companies within reach can prove to be beneficial for you. Since they're already attracting potential customers to your area, or if people are already searching for similar services online, you can almost piggyback off of their visibility, so identify what's missing in their offering or services and do it better.

Establish a legal entity for your business

You've four main choices when deciding how to run your business legally. They are listed below. Note that there are differences in the business entity legislation from country to country. So, consider these more general guidelines, and at the end of the day, always rely on your local authorities. That being said, let's move on.

Partnership

Corporation

Sole proprietorship

Limited Liability Company (LLC)

Each of these structures has its pros and cons. But which business structure is best for a party rental business?

A business partnership is a good choice if you start a business with someone else. However, this form of a company makes you financially responsible for your partner's actions.

A corporation can be a good choice for some businesses because they separate your business assets from your personal property and assets. However, this business structure is far more complex to set up and maintain.

So, this leaves you with two of the more common options that party rental business owners typically choose: sole proprietorship or LLC.

Setting up as a sole proprietor is easy and inexpensive. However, if anything happens to the business, you are personally liable. So think this through carefully.

However, setting up a limited liability company (LLC) protects your personal assets in the event of any business problems or debts. This liability protection makes LLCs a good choice for party rental businesses.

Register for taxes

Before opening your own party rental business, you must register for state and federal taxes. You'll need an Employer Identification Number (EIN) to do this. These are easy to access through the IRS, via their website, phone, or mail.

Otherwise, it's essential to register your details because running a business in some states means you'll need to pay sales tax.

Depending on which legal entity you choose, you may have some options about how you are taxed. You can read more about this on the IRS website.

Set up a business bank account

You should always have separate bank accounts for your business and personal spending. There are a few good reasons for this, but primarily it:

keeps your personal assets protected

helps you accurately track your business account

doing your taxes is much easier

Some new business owners make the mistake of not having a separate bank account. But it's vital to do, especially if you want to build up business credit to help with cash flow or eventually secure expansion loans with low-interest rates.

Party rental business insurance

To ensure long-term party rental business success is to get insurance.

General liability insurance : This type of insurance helps protect you and your business from third-party claims of bodily injury or property damage. Accidents can happen due to the typical environment and risks involved in party rentals. So, general liability insurance is essential.

Worker's compensation insurance : Setting up parties and building event venues happens in an environment where something can always go wrong – no matter how careful you and your employees are. Therefore, you will need an insurance policy that protects your workers in case of accidents.

Create a party rental website

Having a website is essential to reaching your target audience effectively. Without an online presence, you miss the opportunity for local search and digital marketing opportunities, which are some of the best ways to boost brand awareness.

Unlike selling and the linear business model, the rental industry requires tools and processes to support the business with bookings, inventory management, and payment-related aspects, like deposits.

A complete guide on creating a stunning party rental website →

Luckily, these days there are user-friendly website builders with all the features you need to build a professional-looking website via drag-and-drop interfaces. You don't necessarily even need a separate website builder and hosting because Twice provides small businesses with a ready-made rental website . It's easy to customize, SEO optimized and comes with an integrated online booking calendar and payment processing – everything in one platform.

However, if you prefer another website builder, check out Squarespace — it makes building beautiful party rental websites super easy.

What makes a great website?

A good party rental website must deliver relevant information effectively, be visually appealing, and function flawlessly. Your website should have straightforward navigation and structure , as these aspects lay the foundation for an overall good user experience .

Furthermore, ensure your website has high-quality photos to give your customers a sense of feeling of the events you have arranged, compelling copywriting , transparent pricing details, and clear contact information. To increase online sales, you should also keep the checkout of online bookings as straightforward as possible.

What makes a good eCommerce website →

Because the inventory circles back and forth rather than moving linearly (like in retail), it's a more complex process that requires rental-specific tools, which usually cannot be found in traditional e-commerce platforms.

You can start by integrating party rental software into your website to make managing your bookings easier. In the long run, investing in software that is made specifically for renting will ensure that you can have a real-time inventory management tool that will help avoid double-bookings, have inventory-related analytics, offer your customers the option to pay in advance, set up deposits to prevent monetary loss, and so on.

Marketing plan

You'll need to plan your marketing efforts and advertising strategies to get your business off the ground and running. Party rental businesses can take several approaches here, but below, you'll get some ideas of the most cost-effective tactics to acquire new customers.

Pay-per-click (PPC) ads are a great and cost-effective way for small businesses to promote their products and services and acquire new customers . With a little effort, you get a massive reach, and the best part is that you don't need to spend a ton of money to get great results.

Different ad platforms offer various possibilities to reach your customers when and where they are ready to do business with your company. These platforms use their knowledge of your audience's demographics, interests, and geographical location to deliver your ads to the people they think are the most interested in your products and services.

You can, for example, deliver ads on search engines when people type in specific keywords you target or create custom audiences on social media platforms to target with more creative messaging.

Here's why and how you can get started with Facebook ads →

Partnerships

Partnerships are a great way to find synergies between companies that complement each other's offerings. For example, a party rental business can partner up with a catering company to extend the offering and make it more convenient for the customers as they can book everything they need from one place.

Social media marketing

We live in the day and age of social media. Whether advertising on different platforms or generally just sharing your customers' experiences and what your business has been up to, it's the easiest way to stay in touch with your current and potential customers.

Having a community in business means that your brand is already established and you have loyal customers who will buy your services anytime they need to. However, the main challenge is building that community.

One excellent way is by making the best out of your social media platforms. Using social media to connect with your customers or share experiences from your work is bound to attract followers and potential customers.

At the end of the day, people want to know the people behind the brand and are interested in seeing how everything works behind the scenes, so don't be afraid to get up close and personal with your content.

Search Engine Optimization

People search for information about local businesses, services, sights, and experiences online. The key to success in SEO is to understand people's search intent.

Search engines are likely the first place where people start finding information about companies that offer event planning and rental services in their area. As party rentals are local companies by nature, you must optimize your website and other online touchpoints for local searches .

How to choose the right rental equipment for your party rental company

No one gets into this business with expectations of closing it down shortly. We all hope our businesses will keep climbing to greater heights.

And it is for this reason, you should be keen when selecting the equipment you will be renting, whether it's chairs, tables, sound, or cooking equipment. Remember: it's an investment. You don't want to go back and buy the same thing just a few months after you initially bought it.

While there are many things you should consider before investing in a piece of equipment, here are some main factors you should keep in mind.

Product demand and fit

This is the first thing you have to mind. Since this is a business venture, you should only buy equipment that will increase your party rental business's profitability.

Depending on what kind of party or event rental business you're running, your products' demand might highly depend on trends and seasonality.

The location also has a lot to do with your offering. If your customer base is located in the heart of the city and needs to rent out a space for an event, they'll most likely need basics like matching chairs and table sets, canopies, cutlery, and decoration.

If you operate in the suburbs, your customer base is more likely to own some of the things they might need but still be on the lookout for something special, like themed decorations, inflatables, sound systems that fit a festival, and so on.

As mentioned earlier, you are in business to stay, so whatever equipment you need in the company should be durable. You don't want to buy chairs and tables that will break during the first party and disappoint your customer's guests.

Since, occasionally, parties tend to get rough, you'll need equipment that can withstand day-to-day wear and tear. Ask yourself: will this equipment handle the test of time and grow with you? Is it future-proof? These questions will help you pick gear that will serve you for a long time and give a lot of value for your money.

Maintenance cost

An essential part of running a rental business, especially if we're talking about small companies just getting started in the party rental industry, is managing the inventory. Purchasing equipment is one part of inventory management and getting started, and the other is maintenance.

To put it short: the longer your products last and can be utilized, the more profit you will get.

So, in addition to making sure that you're purchasing equipment relevant to your target market, make sure that they're high-quality and serve you a long time. Consider also the spare parts that you might need for them.

Let's say you have a luxurious, high-tech sound system up for rent, and something happens to it. Repairing costs and replacing some parts can become extremely costly and a loss-making product for your business. For example, having products from the same brand often makes finding spare parts much easier and cheaper.

How to grow your party rental business

If you've already got some wins, you might be wondering where to go from there. Here are a few ideas on how to give your party rental business the boost it needs to grow to the next level.

Additional services

There are many options for complementing party rental equipment with services. Some relevant examples include offering delivery, building, and dismantling services. You can choose to have the cost of the work to the price of the rental equipment, but it might be a good idea to offer it as an extra service. It depends obviously on the type of equipment you rent.

Other possibilities include offering design services, catering, program planning, etc. You need to pay great attention to the quality of these services as they determine your business reputation and customer retention. Nothing puts a customer off more than a late delivery or an event that didn't match expectations.

The biggest tragedy in any business is not telling a client about all your services. And this is a mistake that most people in the party rental business make. Upselling is a powerful business technique for generating more revenue.

Upselling confirms how well your company understands your customers' needs. Do they know that décor services are also a package you can provide?

Sometimes, up-selling might even be where the real money is made in your business. Aside from increasing revenue, upselling also increases customer loyalty since people buy more from you.

Give your customers real-life examples

This is another upselling trick. Most customers only believe in you after seeing what you can do. So use photos and reviews from other clients to give your clients a picture of what they can expect from you.

For example, if you have a décor package, show them photos of previous décor themes that you used and left your clients pleased. Pro tip: social media is also an excellent channel for this.

Build a strong customer care team

The most significant resource in your business is your workers. This is why you should continuously invest in them since they are the face of your business to the world. They are the ones who deal directly with your clients both in-person and online.

Teach them how to spot upselling opportunities and tie them back to solving the customer's problems. You can even arm them with tools that help them convince customers of your upsell offer. For example, a tablet to show off your portfolio. Lastly, offer incentives (for example, a sales commission) to your employees to keep them excited and motivated about upselling.

New Locations

Opening second locations is one of the best ways to scale the business. Finding new locations will, in turn, help you reach more people. However, don't forget to do some geographical research to see whether your services are needed in a given region.

The demand for party supplies is increasing in all cities across the globe. However, the competition is also stiff. But don't let that scare you. The market could always use a new perspective.

If you treat your customers with care and conveniently offer what they need for their parties at reasonable prices, you'll have a hard time keeping up with the demand!

How to Write a Party Rental Business Plan?

Writing a party rental business plan is a crucial step toward the success of your business. Here are the key steps to consider when writing a business plan:

1. Executive Summary

An executive summary is the first section planned to offer an overview of the entire business plan. However, it is written after the entire business plan is ready and summarizes each section of your plan.

Here are a few key components to include in your executive summary:

  • Introduce your Business: Start your executive summary by briefly introducing your business to your readers.
  • This section may include the name of your party rental business, its location, when it was founded, the type of party rental business (E.g., general event rentals, tent & canopy rentals, specialty decor rentals), etc.
  • Market opportunity: Summarize your market research, including market size, growth potential, and marketing trends. Highlight the opportunities in the market and how your business will fit in to fill the gap.
  • Party Rental Services: Highlight the party rental services you offer your clients. The USPs and differentiators you offer are always a plus.
  • For instance, you may include delivery & setup, event design & planning, consultation & recommendation, and event coordination, as your services.
  • Marketing & Sales Strategies: Outline your sales and marketing strategies—what marketing platforms you use, how you plan on acquiring customers, etc.
  • Financial Highlights: Briefly summarize your financial projections for the initial years of business operations. Include any capital or investment requirements, associated startup costs, projected revenues, and profit forecasts.
  • Call to action: Summarize your executive summary section with a clear CTA, for example, inviting angel investors to discuss the potential business investment.

Ensure your executive summary is clear, concise, easy to understand, and jargon-free.

  • Business Description: Describe your business in this section by providing all the basic information:
  • General event rentals
  • Bounce house rentals
  • Tent and canopy rentals
  • Table and chair rentals
  • Specialty decor rentals
  • Linen and tableware rentals

  • Mission statement: Summarize your business’ objective, core principles, and values in your mission statement. This statement needs to be memorable, clear, and brief.
  • Business history: If you’re an established party rental service provider, briefly describe your business history, like—when it was founded, how it evolved over time, etc.
  • Additionally, If you have received any awards or recognition for excellent work, describe them.
  • Future goals: It’s crucial to convey your aspirations and vision. Mention your short-term and long-term goals; they can be specific targets for revenue, market share, or expanding your services.

This section should provide a thorough understanding of your business, its history, and its future plans. Keep this section engaging, precise, and to the point.

3. Market Analysis

The market analysis section of your business plan should offer a thorough understanding of the industry with the target market, competitors, and growth opportunities. You should include the following components in this section.

  • Target market: Start this section by describing your target market. Define your ideal customer and explain what types of services they prefer. Creating a buyer persona will help you easily define your target market to your readers.
  • For instance, wedding planners, couples, corporate event planners, or schools & educational institutions, would be an ideal target audience for a commercial party rental business.
  • Market size and growth potential: Describe your market size and growth potential and whether you will target a niche or a much broader market.
  • The United States party supply rental market size was estimated at USD 2,130.95 million in 2022, explaining the market niche you will cover from this huge market size.
  • Competitive analysis: Identify and analyze your direct and indirect competitors. Identify their strengths and weaknesses, and describe what differentiates your party rental services from them. Point out how you have a competitive edge in the market.
  • Market trends: Analyze emerging trends in the industry, such as technology disruptions, changes in customer behavior or preferences, etc. Explain how your business will cope with all the trends.

Here are a few tips for writing the market analysis section of your event planning business plan:

  • Conduct market research, industry reports, and surveys to gather data.
  • Provide specific and detailed information whenever possible.
  • Illustrate your points with charts and graphs.
  • Write your business plan keeping your target audience in mind.

4. Party Rental Services

The product and services section should describe the specific services and products that will be offered to customers. To write this section should include the following:

  • Equipment rental
  • Delivery & setup
  • Event design & planning
  • Customization
  • Consultation & recommendation
  • Event coordination
  • Equipment maintenance & cleaning
  • Tables & chairs
  • Linens & tableware
  • Tents & Canopies
  • Audiovisual equipment
  • Decor & ambiance
  • Catering equipment
  • Quality measures: This section should explain how you maintain quality standards and consistently provide the highest quality service.
  • This may include cleaning & maintenance, quality control checks, regular inventory management, customer feedback & satisfaction, etc.
  • Additional Services: Mention if your party rental company offers any additional services. You may include services like event planning & coordination, decor & styling services, event entertainment, event catering, event staffing, event rentals coordination, etc.

In short, this section of your party rental plan must be informative, precise, and client-focused. By providing a clear and compelling description of your offerings, you can help potential investors and readers understand the value of your business.

5. Sales And Marketing Strategies

Writing the sales and marketing strategies section means a list of strategies you will use to attract and retain your clients. Here are some key elements to include in your sales & marketing plan:

  • Unique Selling Proposition (USP): Define your business’s USPs depending on the market you serve, the equipment you use, and the unique services you provide. Identifying USPs will help you plan your marketing strategies.
  • For example, customization & theming, timely delivery & setup, or attention to detail & quality could be some of the great USPs for a party rental company.
  • Pricing Strategy: Describe your pricing strategy—how you plan to price your services and stay competitive in the local market. You can mention any discounts you plan on offering to attract new customers.
  • Marketing Strategies: Discuss your marketing strategies to market your services. You may include some of these marketing strategies in your business plan—social media marketing, Google ads, brochures, email marketing, content marketing, etc.
  • Sales Strategies: Outline the strategies you’ll implement to maximize your sales. Your sales strategies may include direct sales calls,  partnering with other businesses, offering referral programs, etc.
  • Customer Retention: Describe your customer retention strategies and how you plan to execute them. For instance, introducing loyalty programs, discounts & offers, personalized service, etc.

Overall, this section of your party rental business plan should focus on customer acquisition and retention.

Have a specific, realistic, and data-driven approach while planning sales and marketing strategies for your party rental business, and be prepared to adapt or make strategic changes in your strategies based on feedback and results.

6. Operations Plan

The operations plan section of your business plan should outline the processes and procedures involved in your business operations, such as staffing requirements and operational processes. Here are a few components to add to your operations plan:

  • Staffing & Training: Mention your business’s staffing requirements, including the number of employees or staff needed. Include their qualifications, the training required, and the duties they will perform.

Adding these components to your operations plan will help you lay out your business operations, which will eventually help you manage your business effectively.

7. Management Team

The management team section provides an overview of your party rental business’s management team. This section should provide a detailed description of each manager’s experience and qualifications, as well as their responsibilities and roles.

  • Founders/CEO: Mention the founders and CEO of your party rental company, and describe their roles and responsibilities in successfully running the business.
  • Key managers: Introduce your management and key members of your team, and explain their roles and responsibilities.

  • Profit & loss statement: Describe details such as projected revenue, operational costs, and service costs in your projected profit and loss statement . Make sure to include your business’s expected net profit or loss.

  • Financing needs: Calculate costs associated with starting a party rental business, and estimate your financing needs and how much capital you need to raise to operate your business. Be specific about your short-term and long-term financing requirements, such as investment capital or loans.

Be realistic with your financial projections, and make sure you offer relevant information and evidence to support your estimates.

9. Appendix

The appendix section of your plan should include any additional information supporting your business plan’s main content, such as market research, legal documentation, financial statements, and other relevant information.

  • Add a table of contents for the appendix section to help readers easily find specific information or sections.
  • In addition to your financial statements, provide additional financial documents like tax returns, a list of assets within the business, credit history, and more. These statements must be the latest and offer financial projections for at least the first three or five years of business operations.
  • Provide data derived from market research, including stats about the industry, user demographics, and industry trends.
  • Include any legal documents such as permits, licenses, and contracts.
  • Include any additional documentation related to your business plan, such as product brochures, marketing materials, operational procedures, etc.

Use clear headings and labels for each section of the appendix so that readers can easily find the necessary information.

Remember, the appendix section of your party rental business plan should only include relevant and important information supporting your plan’s main content.

STEP 1: Plan your business

A clear plan is essential for success as an entrepreneur. It will help you map out the specifics of your business and discover some unknowns. A few important topics to consider are:

What will you name your business?

  • What are the startup and ongoing costs?
  • Who is your target market?

How much can you charge customers?

Luckily we have done a lot of this research for you.

Choosing the right name is important and challenging. If you don’t already have a name in mind, visit our How to Name a Business guide or get help brainstorming a name with our Party Rental Business Name Generator

If you operate a sole proprietorship , you might want to operate under a business name other than your own name. Visit our DBA guide to learn more.

When registering a business name , we recommend researching your business name by checking:

  • Your state's business records
  • Federal and state trademark records
  • Social media platforms
  • Web domain availability .

It's very important to secure your domain name before someone else does.

Find a Domain Now

Powered by godaddy.com, what are the costs involved in opening a party rental business.

Costs can be quite high. You’ll need to buy all of the equipment to start, and then find a place to house it. Just a single tent can cost thousands of dollars. Party rentals don’t necessarily need a retail space, but you may need one to establish credibility to would-be customers. If you can’t afford to rent a retail space, you can store the equipment in a storage facility, and then have appointment-only showings to potential renters.

What are the ongoing expenses for a party rental business?

You can expect the following ongoing expenses if you own a party rental business:

  • Equipment maintenance/replacement costs
  • Rent/storage fees
  • Employee salaries
  • Website maintenance/advertising costs

Who is the target market?

The target market depends on where you’re located. If you’re operating in or near a high-income neighborhood, then your clients will likely be homeowners who throw elaborate events for themselves and their loved ones. If you’re in a middle-class neighborhood, you may find that your clientele are the larger organizations (e.g., schools, the VA, community boards, etc.) holding major gatherings from fundraisers to festivals.

How does a party rental business make money?

Party rentals make money by purchasing equipment at wholesale prices and then renting that equipment out for a set fee. Renters will normally pay a deposit or leave their credit card information to cover any accidental or intentional damage the equipment may suffer while the renter has it in their possession.

This is heavily dependent on where you work. Check rates in your area to see what other businesses are charging before you set your fees in stone. In Michigan, a 20 x 20 foot wedding tent costs $3500 dollars to start and rents for about $225 per weekend. In a wealthier city, you may be able to charge double this amount.

How much profit can a party rental business make?

Your profit is determined by how long your equipment lasts, and how much you charge for each rental. In the case of the wedding tent, you would need to rent a $3500 tent (at $225 a weekend) for at least 16 weekends before you started seeing a profit. However, seeing as how a wedding tent can handle far more than 17 weekends, then you enjoy practically unlimited profit after that.

How can you make your business more profitable?

Party rental businesses can consider branching out into everything that an outdoor event may need. From portable toilets to caterers/bartenders, there's a lot of needs to be met for the many party throwers of the world.

STEP 2: Form a legal entity

One crucial aspect that cannot be overlooked when starting your party rental business is the importance of establishing a solid business foundation. While sole proprietorships and partnerships are the most common entity types for small businesses, they're a far less stable and advantageous option than LLCs.

This is because unincorporated business structures (i.e., sole proprietorships and partnerships) expose you as an owner to personal liability for your business's debts and legal actions, while LLCs protect you by keeping your personal assets separate from your business's liabilities.

In practice, this means that if your party rental business were to face a lawsuit or incur any debts, your savings, home, and other personal assets could not be used to cover these costs. On top of this, forming your business as an LLC also helps it to appear more legitimate and trustworthy.

More than 84% of our readers opt to collaborate with a professional LLC formation service to kickstart their venture. We've negotiated a tailored discount for our readers, bringing the total down to just $29.

Form Your LLC Now

Note: If you're interested in more information before getting started, we recommend having a look at our state-specific How to Start an LLC guide (DIY) or our in-depth Best LLC Services review (for those opting for a professional service).

STEP 3: Register for taxes

You will need to register for a variety of state and federal taxes before you can open for business.

In order to register for taxes you will need to apply for an EIN. It's really easy and free!

You can acquire your EIN through the IRS website . If you would like to learn more about EINs, read our article, What is an EIN?

There are specific state taxes that might apply to your business. Learn more about state sales tax and franchise taxes in our state sales tax guides.

STEP 4: Open a business bank account & credit card

Using dedicated business banking and credit accounts is essential for personal asset protection.

When your personal and business accounts are mixed, your personal assets (your home, car, and other valuables) are at risk in the event your business is sued. In business law, this is referred to as piercing your corporate veil .

Open a business bank account

Besides being a requirement when applying for business loans, opening a business bank account:

  • Separates your personal assets from your company's assets, which is necessary for personal asset protection.
  • Makes accounting and tax filing easier.

Recommended: Read our Best Banks for Small Business review to find the best national bank or credit union.

Get a business credit card

Getting a business credit card helps you:

  • Separate personal and business expenses by putting your business' expenses all in one place.
  • Build your company's credit history , which can be useful to raise money later on.

Recommended: Apply for an easy approval business credit card from BILL and build your business credit quickly.

STEP 5: Set up business accounting

Recording your various expenses and sources of income is critical to understanding the financial performance of your business. Keeping accurate and detailed accounts also greatly simplifies your annual tax filing.

Make LLC accounting easy with our LLC Expenses Cheat Sheet.

STEP 6: Obtain necessary permits and licenses

Failure to acquire necessary permits and licenses can result in hefty fines, or even cause your business to be shut down.

State & Local Business Licensing Requirements

Certain state permits and licenses may be needed to operate a party rental business. Learn more about licensing requirements in your state by visiting SBA’s reference to state licenses and permits .

Most businesses are required to collect sales tax on the goods or services they provide. To learn more about how sales tax will affect your business, read our article, Sales Tax for Small Businesses .

Certificate of Occupancy

Businesses operating out of a physical location typically require a Certificate of Occupancy (CO).  A CO confirms that all building codes, zoning laws and government regulations have been met.

  • If you plan to lease a location :
  • It is generally the landlord’s responsibility to obtain a CO.
  • Before leasing, confirm that your landlord has or can obtain a valid CO that is applicable to a party rental business.
  • After a major renovation, a new CO often needs to be issued. If your place of business will be renovated before opening, it is recommended to include language in your lease agreement stating that lease payments will not commence until a valid CO is issued.
  • If you plan to purchase or build a location :
  • You will be responsible for obtaining a valid CO from a local government authority.
  • Review all building codes and zoning requirements for your business’ location to ensure your party rental business will be in compliance and able to obtain a CO.

Services Contract

Party rental businesses should require clients to sign a services agreement before starting a new project.  This agreement should clarify client expectations and minimize risk of legal disputes by setting out payment terms and conditions, service level expectations, and intellectual property ownership.

STEP 7: Get business insurance

Just as with licenses and permits, your business needs insurance in order to operate safely and lawfully. Business Insurance protects your company’s financial wellbeing in the event of a covered loss.

There are several types of insurance policies created for different types of businesses with different risks. If you’re unsure of the types of risks that your business may face, begin with General Liability Insurance . This is the most common coverage that small businesses need, so it’s a great place to start for your business.

Another notable insurance policy that many businesses need is Workers’ Compensation Insurance . If your business will have employees, it’s a good chance that your state will require you to carry Workers' Compensation Coverage.

FInd out what types of insurance your Party Rental Business needs and how much it will cost you by reading our guide Business Insurance for Party Rental Business.

STEP 8: Define your brand

Your brand is what your company stands for, as well as how your business is perceived by the public. A strong brand will help your business stand out from competitors.

If you aren't feeling confident about designing your small business logo, then check out our Design Guides for Beginners , we'll give you helpful tips and advice for creating the best unique logo for your business.

Recommended : Get a logo using Truic's free logo Generator no email or sign up required, or use a Premium Logo Maker .

If you already have a logo, you can also add it to a QR code with our Free QR Code Generator . Choose from 13 QR code types to create a code for your business cards and publications, or to help spread awareness for your new website.

How to promote & market a party rental business

The best way to promote yourself is to start networking with the major organizations—even if your primary market is personal parties. The more you make yourself well known to the party planners of the major events, the more likely it is your name will start to trickle down to the home planners in the area. In addition to forming personal relationships, create a professional website built with the most popular search terms in mind. Once you know what the big draws are in your area (e.g., sporting equipment, luxury toys, etc.), then you can feature those items prominently on your website to hook more people to your services.

How to keep customers coming back

Excellent customer service and quality equipment will attract people back to you. Ensure all deliveries are on time, and that each item is delivered as promised.

STEP 9: Create your business website

After defining your brand and creating your logo the next step is to create a website for your business .

While creating a website is an essential step, some may fear that it’s out of their reach because they don’t have any website-building experience. While this may have been a reasonable fear back in 2015, web technology has seen huge advancements in the past few years that makes the lives of small business owners much simpler.

Here are the main reasons why you shouldn’t delay building your website:

  • All legitimate businesses have websites - full stop. The size or industry of your business does not matter when it comes to getting your business online.
  • Social media accounts like Facebook pages or LinkedIn business profiles are not a replacement for a business website that you own.
  • Website builder tools like the GoDaddy Website Builder have made creating a basic website extremely simple. You don’t need to hire a web developer or designer to create a website that you can be proud of.

Recommended : Get started today using our recommended website builder or check out our review of the Best Website Builders .

Other popular website builders are: WordPress , WIX , Weebly , Squarespace , and Shopify .

STEP 10: Set up your business phone system

Getting a phone set up for your business is one of the best ways to help keep your personal life and business life separate and private. That’s not the only benefit; it also helps you make your business more automated, gives your business legitimacy, and makes it easier for potential customers to find and contact you.

There are many services available to entrepreneurs who want to set up a business phone system. We’ve reviewed the top companies and rated them based on price, features, and ease of use. What happens during a typical day at a party rental business?

Party rental owner can expect the following to-do list on any given day.

  • Researching equipment
  • Preparing rental contracts
  • Selling rentals to customers
  • Repairing and replacing equipment
  • Advertising and marketing the business

What are some skills and experiences that will help you build a successful party rental business?

It helps to have some experience with party planning before you go into this business. You’ll also need to be detail-oriented and highly organized. Party rentals can get messy when equipment is damaged, so your verbal communication and written contracts need to address potential problems before they have a chance to become full-blown catastrophes.

What is the growth potential for a party rental business?

Growth is highly dependent on the area you serve. If you’re catering more to larger organizations in your area, there may be only a few events they throw a year around the holidays. On the other hand, birthdays, retirement parties, and promotions are everyday occurrences, meaning you’ll have a larger business if you service the full neighborhood.

What are some insider tips for jump starting a party rental business?

The best advice for party rentals is to start thinking outside the box. Maybe the people in your area can't afford to spend $100 an hour on an expensive jet ski for a water-themed birthday party, but they can afford to pool their money together to rent a boat to go tubing on the lake. You can rent the boat to party goers, and safety equipment to each person attending. If you live near a ski resort, consider renting skis at group rates for ski parties.

Write up your customer contracts very carefully before you start renting, and ensure they're iron-clad in case of any legal disputes. And while it may be difficult to do, you'll need to invest in quality equipment. The only way you'll become profitable is to get durable goods that can last you through party after party. If you don't have a lot of start-up capital, you can even consider 'renting out' party characters rather than physical equipment. Hire a few talented actors in your area to dress up for children's birthday parties, and then use the profits to start saving money for more physical equipment. Just remember that there are plenty of things that people love to do for the day, but won’t necessarily do again for another year.

Everyone knows what it's like to buy something expensive and then never use it. Your job is to show potential customers that it makes far mores sense to rent equipment for parties than to buy. Being flexible and persuasive are two of the best ways you'll get your business off the ground.

How and when to build a team

You’ll likely only need a team if you’re planning on being open 7 days a week in a big rental space. Generally, you can consider doing limited hours or appointment-only rentals to start, so you can save yourself the cost of employees salaries. Just ensure that if you do appointment only, your customers can count on you to get back to them quickly and to schedule an appointment on their schedule and not yours.

Fancy opening up your own party rental business? We’re here to help you get started in 7 steps. A party rental business can have many facets to it. It covers a wide range of assets and items like venue, spaces, furniture, props, catering, and costumes. Depending on your investment, you can start a party equipment rental business at any level of complexity.

You can either offer to cater to one aspect or one item in party equipment, such as bounce houses or you can offer a full-fledged package with everything that your customers need for their specific party.

Whether you’re renting equipment for weddings or birthdays, Christmas or Thanksgiving, corporate parties, or small family gatherings; we’ll help you understand what you should do to get your own party rental business started.

Roadmap and plan your party rental business

Roadmap and plan your party rental business

The first thing to do when you chalk out your party rental business plan is to find a niche that you want to cater to. The wisest choice is to play to your strength. If you have experience planning and managing a wedding, target wedding rentals. If you have successfully hosted a corporate party, you will understand the nitty gritty that goes into that niche. So, take that route. The best way to kickstart a party rental business is to start with what you know best.

If you are jumping blindly into party rentals, conduct market research to see which niche can be most profitable for you. If your city or town is home to certain festivals or hosts parties for a specific demographic, you can explore renting party equipment to them. Always target the right audience that resonates with you and an audience you understand the needs and expectations of.

Starting a party equipment rental business

Once you have locked a niche you want to offer your rentals to, follow these steps on how to start a party supply rental business:

1. Purchase the party equipment

Make a list of every piece of equipment, props, furniture, etc. that you can rent to your customers. Do an in-depth survey of your local market to find vendors for specific party equipment. Buying bulk from wholesalers is the most cost-effective way to stock your assets, asset stocks, and inventory. Find the right vendors for this.

Conduct a competitor analysis in your market to see where you can get the best rates for everything you would need for your business.

Take great pictures of the equipment

2. Take great pictures of the equipment

The next step is to take great photos of the party rental equipment you want to offer to your customers. With a limited budget, you can shoot great photos out in the Sun with a smartphone and some DIY backgrounds. Moreover, you can contact photography students in your locality and hire them for this freelance gig.

If your budget allows it, get professional photographers as they will get you the best possible result. Remember, this will be a one-time investment.

3. Price according to market and area

Pricing your rentals is half the business plan, so do extensive research on your market before setting final prices. You can start with your competitors to see how they price their party rental equipment. This will give you an anchor point to set your rates. Don’t lower your renting point too much and don’t take it way higher than your competition. Find the sweet spot that is both profitable and enticing for your customers.

4. Get legal out of the way

The next step is to go legal by registering your business with your local body. Open a business account for your party rental business. Fill out all the necessary paperwork before moving on to the next step. Additionally, it would help if you also got insurance for your party equipment. Let’s face it, partiers can get wild at times, and it may result in damaged products or props. Stay worry-free and get insurance in time to safeguard all your assets and inventory.

5. Take your business online with rental software

If you don’t have a brick-and-mortar store, your remaining choice becomes taking your business online. A rental software, in this regard, will enable you to keep your party rental business up and running. Most rental software comes equipped with a webstore. Utilize the potential of owning such a webstore. Get your rentals booked online through this channel. Most rental software also offers customer management. This will help you get meaningful insights.

Market your party rental business

6. Market your party rental business

Apart from your webstore, you can garner the right audience using social media. Create the same handle on all popular social platforms to offer familiarity and connect with your customer base where they want to. You can also market your business with influencers from your market segment.

To get more customers, you can bundle up items that are frequently used together and offer them at a cheaper rate. You can create packages for specific customers, such as offering discounted rates for birthday kids under 10. Depending on the niche of your party rental business services, you can also offer premium packages for high-end furniture, props, etc.

7. Earn, scale, and grow your business

Sit back and start earning by automating your party rental business with rental management software. Using the software’s reporting modules, analyze your business at monthly and quarterly intervals to see what’s working and what’s not. Identify high-revenue segments for both your customers and the products you are renting out.

If you see items that have extremely low utilization, sell them. If there are items that have high utilization, stock them accordingly to ensure that you always have them available for all your customers. Use customized reports in the rental software to analyze renting patterns and to forecast trends your business should be ready for.

Profitable niches in the event rental business

Profitable niches in the event rental business

Some of the most profitable party rental businesses we have witnessed are renting out equipment for outdoor events. This includes tents, porta potty, heaters, fans, etc.

There’s also an entire segment you can cover related to weddings. This includes furniture, cutlery, tents, and more. You can offer from budget-friendly event rentals to premium destination wedding equipment.

Birthday parties are another profitable niche where you can rent out party equipment varying from bounce houses for kids to specialized items for quinceañera. The possibilities are endless.

Themed parties have their props and items you can offer in your business. Target a specific diaspora, people, or lifestyles and offer them the right items to party hard.

Seasonal parties such as Halloween, Christmas, Thanksgiving, New Year’s, etc., are other event rental segments you can target with your business. Upsell by offering costumes as well.

To keep everything formal and fun, you can rent out only to corporate parties and black-tie events. Additionally, you can offer tuxedos and dresses on the side to cover the niche entirely.

Supercharge your party rental business

Whichever niche you choose, and whatever party equipment you rent to your customers, adding powerful rental software to your business will help you achieve success. It will enable you to track your assets, automate your rental operations, and not worry about bookings or running out of stock.

By setting alerts at crucial workflows, you will see what you need to stock up on and what needs to be done. A rental management platform will take a long way in starting and growing your party rental business .

Happy renting!

Catering at a party

Step 1: Study your market

When starting a party rental business , the first thing that you should do is study your market. This step is called market research.

Market research is the process of gathering information on your target audience and market to understand their wants and needs.

Studying your market will provide you with insight into what methods work for your competitors, how they operate, and the services and prices they offer.

You can then use this information to determine how you should structure your product or services to bring an added value to your target market and find a competitive advantage for your party rental business.

Here are some questions that you can ask when conducting market research:

  • Who are the current customers?
  • What is their purchasing power?
  • What types of products or services are they looking for?
  • Where do these customers look for solutions?
  • What are the current options available?
  • What added value can you bring?
  • What challenges do customers face?
  • What are the challenges for the current market?
  • How many people would be interested in your offer?
  • What alternatives are currently available?
  • What do potential customers pay for these alternatives?
  • What influences purchases and conversions among your target audience?

Step 2: Write your business plan

After you’ve studied your market and identified business ideas, the next step in starting a party rental business is to start structuring your ideas in a business plan .

A business plan is a document that outlines your business’s objectives , and the strategies that will be implemented to help you achieve them.

In your business plan, you should include:

  • findings from your market research
  • your target market
  • your go-to-market strategy
  • your starting capital
  • financial projections
  • your business purpose, and mission

Writing a business plan down is an essential part of starting a party rental business because it makes you consider and research important aspects of the business that you may have ignored previously.

You should keep in mind that a good business plan is never completely done. As your business starts to grow, you will start making changes. It is always a good idea to review and update your business plan as things change or at least once a year to reflect on your goals for the upcoming year.

Updating your business plan will help you strategize , stay relevant in your market, and plan for what needs to be done to achieve your desired results.

Ready to take action and start your own party rental company? That's great, this is the spirit we're looking for! Feel free to use our very own free rental business plan to get you started right away. Good luck!

Step 3: Register for business licenses, permits and taxes

When starting a business, you are expected to have the right licenses and permits for the country or state that you are operating in. Failure to do so can result in hefty fines, or even cause your business to be shut down.

Although there are generally no licenses required specifically for party rental businesses in most countries, business owners should check the local requirements of their country or state to be sure that they are in compliance with the laws and regulations that apply there.

If you are in the United States, you can apply for federal or state licenses and permits here .

It's also essential to have a clear understanding of the financial aspects, including tax obligations.

Registering for taxes is a crucial step for any business, ensuring compliance with legal requirements and avoiding potential penalties. To facilitate this, you will require an Employer Identification Number, which can be conveniently obtained through the IRS of your country, via their website, phone, or email.

US citizens can follow these steps:

  • Decide in which states you want to conduct business.
  • Look for the registration threshold for these states, to determine for which states your need to get a tax permit.
  • Search for the taxing agencies in those states (usually called the State Department of Revenue).
  • Follow the steps required by the taxing agency. Usually, this means you need to download the Sales and Use Tax Form from your state or fill it out online.
  • It can take up to 4 weeks to receive your tax permits. Until that time, you are not allowed to  collect rental sales tax from your customers.

Do not forget this crucial step before heading for success!

Step 4: Purchase the right equipment

When it comes to purchasing equipment for your party rental business, you should take the time to ask customers for the types of party rental equipment they tend to look for.

By doing so, you will start seeing trends emerge pointing toward popular items such as:

  • folding tables
  • folding chairs
  • and party tents

But you will also see unique items such as:

  • lighting systems
  • photo booths
  • bounce houses
  • or food displays

Since purchasing equipment is likely to be one of your biggest investments, you want to make sure that you avoid idle inventory and that you don’t overspend in the beginning. It is cheaper and easier to buy more equipment later than to get rid of excess unwanted equipment.

🔎 Idle inventory is having items in your inventory that are not being used and are not needed to generate profit.

Therefore, you should not purchase all of the equipment that they mention when you launch your company, instead, you should make a priority list of equipment you need to purchase and a list of equipment that can be subrented .

By having a combination of your own inventory and a list of equipment you can subrent, you will be able to fulfill more of a customer’s needs in one sitting.

And if they can get all of the items they need from a single vendor instead of relying on three or four separate companies, that’s the option they’re most likely to take.

⚠️ When purchasing equipment, you should also consider investing in vehicles that can be used to transport and set up the equipment at the location of the events.

Step 5: Implement a pricing strategy

Based on your research in step 1 and 2, you will have information on:

  • what your competitors are charging,
  • what your potential customers are willing to pay,
  • and how much you need to charge in order to break even or be profitable.

Pricing your services can be tough, but you can use the prices that your competitors charge as a reference.

However, you should keep in mind that if you set your prices too low , it will be harder for your company to break even, and it can make potential customers think twice about renting from you because they might think that there is a catch or that something might be wrong with your services.

And of course, if you set your prices too high , you will miss out on valuable sales.

There are dozens of pricing models and strategies that can help you better understand how to set the right prices for your audience and revenue goals.

Here are some pricing strategies examples that you can consider using:

  • Cost-Plus Margin : A pricing method in which the selling price of a service is determined by adding a profit margin to the costs of the service.
  • Demand-Based Pricing : With this pricing method, the increase and decrease in consumer demand determines the pricing.
  • Competition-Based Pricing : Here, prices are determined by the prices set by your competition.
  • Price Bundling : The pricing is set for a group of products and grouped products are not rented out separately.

Insurance document for party rental business

Step 6: Get insurance

Just like business licenses and permits, you will need business insurance in order to operate safely and legally.

Running a party rental business means purchasing and renting both indoor and outdoor equipment, like lights, speakers, or tents. Since you've invested money into these equipment, and your company relies on them, you should insure them in case any accidents happen.

You also want to make sure that you are protected in the event that someone gets hurt or injured while using your equipment, this is usually covered with liability insurance .

Liability insurance is mandatory for party rental businesses in some places and sometimes your business isn’t legally allowed to operate without it. You should check your local laws to see if this applies to you.

It is strongly recommended to have liability insurance for your own safety, even if it isn’t mandatory in your area. Many potential customers will also consider you more trustworthy if you present them with proof of that insurance.

You should consider consulting with an insurance broker to help you choose the best insurance policies for your party rental company, they will help you assess the risks involved in the industry, and tell you what are the best insurances you should choose.

Marketing team of a party rental business in a meeting

Step 8: Invest in marketing

Starting a party rental business can be difficult, let alone learning how to market one. However, investing in marketing should be one of the first things you should consider doing when starting your business.

Marketing helps you build brand awareness and credibility , which is very important in the early stages of your business, as you want to make potential customers familiar with your brand and convince them why they should choose you over your competitors.

As a result, marketing efforts will have an effect on your turnover, pricing, promotions, and your advertising strategies.

Here are some examples of marketing techniques that you can use to build brand awareness:

  • networking with local businesses (event planners, event venues…)
  • advertising your business in relevant business magazines, tv and radio stations
  • social media advertising (Facebook ads, Youtube ads…)
  • search engine advertising , by posting ads on Google and Bing result pages or other websites using CPC (cost per click)
  • creating and managing your “Google My Business” listing

Step 9: Monitor your progress

You also have more insight into the value that you’re creating for your business so you can show your team the results of your efforts.

With Rentman, you can create a personal dashboard to monitor your progress and use your data to make better decisions:

  • identify which equipment is the most profitable,
  • what your next purchase should be,
  • where you lose revenue,
  • and much more…

Growing your party rental business with smart people

Step 10: Grow your team

The final step is to grow your team.

Hiring your first employees is a huge step when starting a party rental business. Having the extra manpower means that you can assign tasks to members of your team and dedicate your time to other tasks with a higher priority.

But before bringing just anyone on board, you need to understand that extra manpower entails a whole new string of legal obligations, liabilities, expenses, and, of course, paperwork.

The number of employees you decide to hire in the first stages of your business will depend on your needs. But, as your business grows, you will need at least a few employees to take and prepare orders , deliver and pick up equipment and deal with customer service .

Here are some examples of the types of employees you can recruit when starting a party rental business:

  • delivery drivers
  • crew members
  • bookkeepers
  • technicians
  • sales/marketing specialists

The employees that you hire should have a few key qualities, this includes:  flexibility , passion,  and trustworthiness . It is important to hire people who are flexible enough to take on diverse responsibilities until you can expand further. And, since every employee plays a key role in your business, it is important to hire people you trust.

💡 Another option you have is to outsource some of these tasks to freelancers or independent contractors.

“No one can whistle a symphony. It takes a whole orchestra to play it.”

H.E. Luccock

Things you should consider

The party rental industry can be very seasonal, there are usually more events during holidays or when there is good weather.

It is also a competitive industry . As a business owner, you’ll need to be creative and stay up-to-date with current trends.

Finally, networking is an important factor in a party rental business’ success. You’ll need to create and maintain a good relationship with local event planners and event venues to bring in new business and explore new opportunities.

  • What type of equipment do I need to buy for a party rental business? Always check trends before purchasing any equipment, for example using tools such as Google Trends. Since purchasing equipment will most likely be your biggest investment, you also need to make sure to avoid buying idle inventory, which is equipment that will not be used for all your events and that will not generate profit every time. With that said, the most common items you can purchase are folding tables, folding chairs, party tents and even photo booths or bounce houses.
  • How do I determine equipment pricing for a party rental business? Always price your equipment based on your business plan. With that said, make sure to find out what your competitors are charging, what your potential customers are willing to pay, as well as how much you need to charge in order to break even or be profitable while renting out your equipment (for example, for a lifespan of two years). Here are some pricing strategies: cost-plus margin, demand-based pricing, competition-based pricing and price bundling.
  • How do I keep track of orders in a party rental business? While starting a party rental business might seem easy, maintaining an overview over your processes requires strong organizational skills. While starting out, spreadsheets might be the easiest solution to keep track of everything. However, once more orders come in, you’ll definitely need a rental management tool, like Rentman. With Rentman you can manage all steps involved in running a party rental business in a more efficient way, saving you lots of time and giving you a better financial overview for your projects

The party rental business industry is constantly expanding. In 2022 the market reached $12.38 billion with a projection of 14.8a % compound annual growth rate (CAGR) from 2022 to 2030. This could bring the market to $37.54 billion by 2030.

In this guide, we’ll discuss how to start a party rental business. Topics include investing in party rental business insurance, registering an EIN, opening a business bank account, conducting market research, and more. Here’s everything you need to know to start your own party rental business.

1. Conduct Party Rental Market Research

Market research is important for party rental businesses. Market research provides insight into your target market, local market saturation, trends in services among party rental companies, and other important details of starting a successful party rental business.

business plan for party equipment rental

Several factors are driving this growth:

  • As the economy continues to improve, consumers are spending more on events like weddings, reunions, birthday parties, and corporate events.
  • There are currently 2.1 million weddings annually, which is expected to rise.
  • The experiential event trend means people want unique party rentals.
  • Consumers, especially millennials, are choosing to spend disposable income on experiences and events rather than material goods.
  • Corporations are investing more in branded events.
  • Companies are using experiential events like product launches, press events, client hospitality suites, and holiday parties as marketing tools.
  • The types of party rental equipment with the highest profit margins include linens, dishes, lighting, tents, furniture, games, and photo booths.
  • The party rental industry is highly fragmented, with over 90% of businesses having revenue under $10 million.
  • There are relatively low barriers to entry in the party rental business. Startup costs range from $20,000 to $100,000 depending on inventory and location.

In summary, the party rental industry exhibits strong growth potential thanks to several converging trends. Opportunities exist for startups to launch with a niche specialty as well as for established companies to expand through M&A activity.

2. Analyze the Competition

Thoroughly analyzing the competition is crucial when starting any business, and party rentals are no exception. Competitive analysis helps you develop pricing strategies, service plans, and other important aspects of an event rental business.

Here are some tips on assessing competitors both in your local area and online:

  • Research rental companies in your geographic radius.
  • Drive around and note their location, signage, facility appearance, and inventory.
  • Go undercover as a customer.
  • Call or visit local companies to get quotes, observe customer service, and examine rental contracts.
  • Review online listings and websites.
  • Analyze their search visibility, website quality, photos, offerings, pricing, and online reputation.
  • Search social media platforms. Look for rental companies on Instagram and Pinterest to see their following, engagement, visual brand identity, and content marketing.
  • Check Facebook and read reviews. Negative reviews can provide insights into common complaints to avoid.
  • Enter competitor names to get data on their digital footprint and marketing traction.

By thoroughly analyzing both local and online competitors, you can identify common pain points to solve and areas where competitors are falling short. With this competitive intelligence, you can position your new company to stand out.

3. Costs to Start a Party Rental Business

Starting a party rental company requires an initial investment to acquire your inventory, secure equipment transportation, lease a facility, and cover initial operating expenses.

Start-up Costs

Typical start-up costs for a party rental business range from $30,000 to $100,000. Some of these costs include:

  • Inventory The bulk of your startup budget will go towards your rental inventory which can cost anywhere from $10,000 to $70,000 depending on the mix of items.
  • Basic party and event furniture like tables/chairs ($5,000), linens ($5,000), tents ($10,000), and lighting ($5,000) make up the core.
  • Specialty rentals like dishes ($5,000), games ($2,000), bars ($4,000), and photo booths ($10,000) add variety. Start small and add more specialty inventory once established.
  • A box truck or trailer will be needed to transport rentals to events. Options include buying a used truck ($15,000), financing a new one ($30,000+) or leasing a vehicle ($300+ monthly).
  • Factor in branding/wrapping costs if purchasing.

Ongoing Costs

The size of your warehouse will dictate costs, but plan for $2,000 per month for 1,000-3,000 sq. ft. Registering your business legal structure (LLC or S-Corp), permits, accounting software, insurance, etc. can cost $2,000-$5,000 upfront.

In addition to the fixed costs above, here are some of the ongoing monthly expenses to factor into your budget:

  • Rent/mortgage for warehouse space: $2,000+
  • Utilities like electricity, internet, etc: $500+
  • Vehicle leasing or finance payments: $300+
  • Liability and property insurance: $150+
  • Bookkeeping services: $200+
  • Advertising: $500+
  • Credit card processing fees: $100+
  • Website hosting, CRM, subscription software: $150+

It’s also important to budget annually for maintenance and repairs for rental inventory, replacing damaged items, and investing in new inventory. Most rental equipment lasts 3-5 years with proper upkeep. You should see profits increase as the business scales and costs stabilize.

4. Form a Legal Business Entity

When starting a party rental business, one of the first legal steps is choosing the right structure for your company. The four main options each have pros and cons to weigh for a business owner’s situation and goals.

Sole Proprietorship

The simplest structure is where you and the business are one entity. However, for party rentals, the owner is personally liable for any business debts, lawsuits, or claims. This is very risky especially since customers, venues, and vendors are involved. Not ideal for growth.

Partnership

This allows multiple owners to share management, skills, and investment. For party rentals with co-founders, it can ease startup. However, each partner is fully liable for the actions of the other putting personal assets at risk. Profit sharing should be outlined via partnership agreement but disputes can arise.

Limited Liability Corporation (LLC)

This is one of the most popular structures for small businesses today. It protects personal assets from business liabilities and debt. Taxes are passed through to owners avoiding corporate taxes. For party rentals, an LLC limits risk while allowing the flexibility of a partnership.

Startup and operating costs are low. Multiple members can be added over time. Overall an excellent choice for limiting liability with a new rental company.

Corporation

Forms a separate legal entity from owners offering the highest level of protection. However, corporate taxes apply lowering profitability. Extensive record-keeping and reporting is required. For a small party rental company, the extra costs and paperwork of a corporation far outweigh the liability protection benefit of an LLC.

5. Register Your Business For Taxes

One of the crucial legal steps for any party or wedding rental business is obtaining an Employer Identification Number (EIN) from the IRS. This unique number identifies your business for tax purposes and is required to open business bank accounts, apply for licenses, and hire employees.

As a party rental company, you must get an EIN even if you plan to operate as a sole proprietorship or freelancer. The process is fast and free through the IRS website .

Here is a step-by-step guide to applying online:

  • Gather information – Have details like your name, address, Social Security Number, business name, and structure ready.
  • Visit the EIN Assistant – Go to the link above and click “Apply Online Now” to be walked through the application.
  • Answer questions – Answer basic questions about your business. The assistant will determine eligibility and the type of EIN needed.
  • Provide contact info – Add your personal information such as name, SSN, address, and phone number.
  • Get instant EIN confirmation – After submitting, you will instantly receive your EIN via email and online.

The entire process takes less than 15 minutes in most cases. The EIN is issued immediately so you can move forward with the next steps like opening business bank accounts right away.

Once you have your EIN, check your state and local requirements for sales tax permits. Most jurisdictions require registering for tax collection if selling products or rentals even if based from home. Fees are typically minimal.

6. Setup Your Accounting

As a party rental company, meticulous bookkeeping and accounting right from the start is crucial. With frequent transactions, inventory management, and depreciation, staying on top of the financials will save major headaches at tax time.

business plan for party equipment rental

Here’s how to set up a bulletproof system:

Accounting Software

Implement small business accounting software like QuickBooks . This will be your central hub for tracking income, expenses, profits, and taxes. Connect it to your business bank and credit card accounts to automatically import and categorize transactions. Run reports and get real-time visibility into the financial health of your rental company with QuickBooks.

Hire an Accountant

Hire an accountant, at least for year-end filing. A qualified accountant can set up your software and systems initially, then provide ongoing services like quarterly reconciliations, sales tax filings, and compiling your annual tax returns.

Expect to invest around $1,200 – $5,000 based on involvement. At a minimum, engage an accountant annually for tax preparation to handle deductions and depreciation properly. This provides helpful documentation if ever audited.

Open a Business Bank Account

Separate personal and business finances completely. Open a dedicated business checking account that you only use for rental company transactions. Never co-mingle personal and business money. Get a business credit card solely for company expenses. This simplifies accounting, prevents misuse of funds, and protects your assets.

Apply for a Business Credit Card

Apply for a business credit card to build a credit history. As a new venture, you can get approved for starter cards with modest $500 – $2,000 limits based on your score. Use it for all company spending and pay it off fully each month. Within 6 months you can request an increase. Avoid high-interest personal cards.

7. Obtain Licenses and Permits

Before renting out any equipment or hosting events, it’s crucial to make sure your party rental business has the proper licenses and permits. Find federal license information through the U.S. Small Business Administration . The SBA also includes details on state and city regulations through its local search tool.

  • Business License: Nearly all jurisdictions require obtaining a general business license to legally operate. Fees are generally $50 to $100 annually. The application process helps confirm your business is following zoning ordinances and will collect/remit required taxes.
  • Sales Tax Permit: If selling or renting taxable goods, you must collect and pay sales tax in most states. You’ll need a sales tax permit which requires registering with your state department of revenue. In some cases, you may also need to collect local sales taxes.
  • Food Service Permit: If serving food at hosted events, states require a food service license or catering permit. This verifies you are following health codes for transporting, handling, and serving food safely.
  • Fire Safety Permit: Using lighting, sound equipment, generators, or other electronics at events typically requires a fire safety permit. Some counties also require them when storing flammable items like fuel or propane at your facility.
  • Liquor License: To provide alcohol via a cash bar or as part of catering, obtain the proper liquor license or permit from your state’s alcohol board. Rules vary widely, so review regulations carefully if offering alcohol.

8. Get Business Insurance

Operating a party rental business comes with substantial risks that make business insurance an absolute necessity. Being underinsured – or not insured at all – leaves you financially vulnerable. The right coverage protects your company’s assets and livelihood.

business plan for party equipment rental

General liability insurance covers costly accidents like a guest injury, damaged rental equipment, or third-party property damage. Without it, you’d pay all claims out of pocket – even one could bankrupt a small business.

Umbrella insurance provides additional liability coverage beyond policy limits for extreme accidents or lawsuits. This added protection is affordable and prevents catastrophic losses.

Three examples of devastating scenarios without proper insurance:

  • A tent collapses in high winds injuring a dozen wedding guests. Lawsuits and medical bills exceed $500,000.
  • A faulty fog machine catches fire at a school dance, damaging the gym floor. The repair cost is $150,000.
  • Delivered dishes are dropped ruining a corporate event. The client sues for the lost contract value of $350,000.

To get insured, first assess your risks and coverage needs based on inventory, employees, locations served, etc. Compare quotes from multiple commercial insurance providers. Lock down a policy before your first rental transaction.

Follow these steps to getting insured:

  • Determine necessary coverage types and minimum policy limits based on potential risks.
  • Get quotes from at least 3 insurance providers such as Progressive, Geico, The Hartford, etc.
  • Select a policy with ideal coverage, limits, and premium cost.
  • Complete the application and provide business details as required.
  • Put your active policy in place before conducting business.

Don’t wait – unforeseen accidents can quickly destroy an uninsured venture. Safeguard your party rental business with comprehensive policies.

9. Create an Office Space

Having a professional office space can give your party rental company credibility and provide a productive base of operations. The right option depends on your budget, location needs, and how you intend to use it.

Home Office

A home office is the most affordable option starting under $100 for a basic desk and supplies. It works if you primarily meet clients onsite and only need minimal administrative space. However, it can appear unestablished and be distracting if you have kids or roommates.

Coworking Office

Coworking spaces like WeWork provide an upscale office environment with business amenities and community. Expect to pay $300-$800 monthly for a dedicated desk or office depending on location. While more expensive, the flexibility, networking, and lack of overhead are appealing for startups.

Retail Office

If renting a retail storefront, consider adding a back office of 500+ sq ft for $1,000-$1,500 monthly. This gives you space for client meetings, phone calls, and computer work protected from warehouse noise. Highly useful if customers visit your facility.

Commercial Office

For larger teams and established companies, leasing space in a Class A office building starts at around $3,000 monthly. While costlier, you get spacious, modern suites to meet, work, and potentially house inventory. Prestige can reinforce your brand.

10. Source Your Equipment

A key startup step for any new party rental entrepreneur is acquiring an inventory of quality equipment. The good news is there are many options to secure essential items at reasonable prices without huge upfront investment.

Purchasing brand-new tables, chairs, linens, dishes, tents, etc. provides modern durable gear but is the priciest option. Check event supply retailers like PartyTime Rentals , Taylor Rental , and Prestige Events , or buy in bulk from overseas manufacturers.

Buying Used

Gently used equipment bought at a fraction of retail offers savings off new inventory prices. Search Craigslist , Facebook Marketplace , and auction sites for local sellers and estates liquidating surplus gear. Inspect condition closely before purchasing.

Some specialty electronics like sound systems, photo booths, and games can be rented on a per-event basis when needed. This limits storage requirements in your warehouse. Check competing rental companies or national chains.

Consider an equipment lease for core large ticket items you use frequently like tents and staging. This spreads payments over time rather than one lump sum. Be sure to negotiate fair monthly rates and ownership terms after the lease ends.

11. Establish Your Brand Assets

Developing a strong brand identity is crucial for any new company seeking to stand out. For party and event rental businesses, a polished and recognizable image conveys professionalism and builds trust with clients.

Get a Business Phone Number

Get a unique business phone number from a provider like RingCentral to present a credible presence. Use it consistently on all platforms.

Design a Logo

Create a logo that represents your brand personality and style. Services like Looka offer affordable custom design options from minimalist to elaborate. Explore versions before finalizing one that feels authentic.

Print Business Cards

With a logo set, build out supporting brand assets and templates with the same styling. Business cards from Vistaprint make introducing yourself simple. Signage on your vehicle, warehouse, or at offsite events reinforces public awareness.

Always have business cards on hand when meeting potential clients, vendors, or partners. Be prepared to present yourself professionally and share contact details efficiently.

Buy a Domain Name

Buy a domain name that aligns with your brand name and use it for your website and email addresses. Short, simple domains from sites like Namecheap increase memorability.

Design a Website

Building a high-quality website establishes your business and attracts new customers. Use DIY platforms like Wix for basic sites or hire a skilled web developer on Fiverr for a custom solution.

Consistent and strategic use of your brand assets builds familiarity and trust in the marketplace. Invest time upfront in cultivating a polished brand image for your party rental company. This forms the foundation for all marketing and customer acquisition efforts moving forward.

12. Join Associations and Groups

Joining relevant local organizations and online communities can provide invaluable connections and insights as a new party rental entrepreneur. Surround yourself with others who understand the industry’s unique challenges and opportunities.

Local Associations

Seek out local associations like the American Rental Association chapter in your state. Attend trade shows to connect with other owners and vendors. These groups offer training, advocacy, and peer discussion forums.

Local Meetups

Actively participate in local business meetups and networking events to meet fellow entrepreneurs. Use sites like Meetup to find regular gatherings focused on small business owners, startups, and the events industry.

Facebook Groups

Look on Facebook for regional party rental groups to join. The Florida Party Rental Network and Midwest Event Professionals have thousands of engaged members. Pose questions and learn from seasoned owners nationwide.

Introduce yourself and establish your brand within Facebook Groups like:

  • Party Rental Business Owners
  • Party Rental Knowledge Group
  • Party Rental Business Community

Making connections locally and online helps fuel continuous learning. Obtain advice on the equipment, skills, and knowledge needed to prosper. Surrounding yourself with supportive experts provides confidence and community as you build your rental business.

13. How to Market a Party Rental Business

Implementing an ongoing marketing strategy is essential for gaining new customers and expanding a party rental company. With so many options, focus on a mix of digital promotion and word-of-mouth referrals to efficiently build your brand and bookings.

Local Networking

Leveraging your connections and asking satisfied clients for referrals are the most powerful ways to organically grow, especially when starting. Offer loyal customers a 10% discount on their next rental for anyone they refer who books an event.

Digital Marketing

  • Create Google and Facebook ads targeting local couples planning weddings and event planners. Include a coupon code for 10% off their first rental.
  • Build an Instagram feed showcasing beautiful event setups using your rentals. Hashtag your city name and industry terms to increase local visibility.
  • Launch a TikTok channel demonstrating quick decor and tablescaping tips using your products. Entertain and educate potential customers.
  • Start an email newsletter providing party planning advice alongside promotions for your rentals. Offer subscribers 5% off coupon codes.

Traditional Marketing

  • Design eye-catching print flyers and mail them to families in affluent zip codes announcing your new rental company.
  • See if local wedding shops will put up a poster or allow you to place flyers promoting your event rental offerings.
  • Sponsor a local festival, 5K, or food drive to get your name out to the community.
  • Run radio spots on local stations 1-2 months before peak wedding season reminding couples to book their essential rentals.

Rather than trying every marketing option, focus on 2-3 core strategies that align with your brand and audience. Measure results and double down on the most effective channels driving conversions.

14. Focus on the Customer

Providing exceptional customer service must be a top priority for your party rental company. How you interact with clients directly impacts your referrals, reviews and repeat business. Some ways to improve customer focus in your party rental business include:

  • Start by ensuring seamless communication via phone, email, and chat. Respond promptly to inquiries with thoughtful assistance.
  • When customers visit your rental facility, greet them warmly and offer to guide them through options. Answer all questions knowledgeably and make recommendations based on their needs.
  • Aid clients in finding the right tables, chairs, linens, and decor to create their dream event within budget. Go the extra mile to make them feel taken care of.
  • Follow up post-event to collect feedback and help troubleshoot any issues. Show that you truly care about their satisfaction. Offer a discount on their next rental as a token of appreciation.
  • Providing this level of service earns you loyal supporters who enthusiastically recommend you to their networks. One thrilled mother of the bride can easily refer a dozen future weddings your way.
  • Stellar customer service also drives up reviews on Google, Facebook, WeddingWire, and event rental sites. These social proof testimonials attract new local customers.

Aim to wow each client with your attention to detail, responsiveness, and passion for exceeding expectations. In the party rental industry, your dedication to customer service creates major word-of-mouth buzz.

Target market

  • Who is your target market?
  • What do these customers have in common?
  • How many of them are there?
  • How can you best reach them with your message or product?

Customer base

  • Who are your current customers?

  • What specific advantages does each competitor offer over yours currently?

Marketing channels

  • Which marketing channel do you intend to leverage to attract new customers?
  • What is your estimated marketing budget needed?
  • What is the projected cost to acquire a new customer?
  • How many of your customers do you instead will return?

4. Write Your Operational Plan.

Next, you'll need to build your operational plan. This section describes the type of business you'll be running, and includes the steps involved in your operations.

In it, you should list:

  • The equipment and facilities needed
  • Who will be involved in the business (employees, contractors)
  • Financial requirements for each step
  • Milestones & KPIs
  • Location of your business
  • Zoning & permits required for the business

What equipment, supplies, or permits are needed to run a party rental business?

  • Tables and Chairs
  • Tents and Canopies
  • Party Accessories (dishes, glasses, cutlery, etc.)
  • Barbecues, Grills, and Smokers
  • Catering Equipment (linens, chafing dishes, serving platters)
  • Coolers or Beverage Dispensers
  • Lighting and Sound Equipment
  • Inflatables (games and rides)
  • Amusements (carnival rides)
  • Permits (if required by local regulations)

5. Management & Organization of Your Party Rental Business.

The second part of your party rental business plan is to develop a management and organization section.

This section will cover all of the following:

  • How many employees you need in order to run your party rental business. This should include the roles they will play (for example, one person may be responsible for managing administrative duties while another might be in charge of customer service).
  • The structure of your management team. The higher-ups like yourself should be able to delegate tasks through lower-level managers who are directly responsible for their given department (inventory and sales, etc.).
  • How you’re going to make sure that everyone on board is doing their job well. You’ll want check-ins with employees regularly so they have time to ask questions or voice concerns if needed; this also gives you time to offer support where necessary while staying informed on how things are going within individual departments too!

6. Party Rental Business Startup Expenses & Captial Needed.

This section should be broken down by month and year. If you are still in the planning stage of your business, it may be helpful to estimate how much money will be needed each month until you reach profitability.

Typically, expenses for your business can be broken into a few basic categories:

Startup Costs

Startup costs are typically the first expenses you will incur when beginning an enterprise. These include legal fees, accounting expenses, and other costs associated with getting your business off the ground. The amount of money needed to start a party rental business varies based on many different variables, but below are a few different types of startup costs for a party rental business.

Running & Operating Costs

Running costs refer to ongoing expenses related directly with operating your business over time like electricity bills or salaries paid out each month. These types of expenses will vary greatly depending on multiple variables such as location, team size, utility costs, etc.

Marketing & Sales Expenses

You should include any costs associated with marketing and sales, such as advertising and promotions, website design or maintenance. Also, consider any additional expenses that may be incurred if you decide to launch a new product or service line. For example, if your party rental business has an existing website that needs an upgrade in order to sell more products or services, then this should be listed here.

7. Financial Plan & Projections

A financial plan is an important part of any business plan, as it outlines how the business will generate revenue and profit, and how it will use that profit to grow and sustain itself. To devise a financial plan for your party rental business, you will need to consider a number of factors, including your start-up costs, operating costs, projected revenue, and expenses.

Here are some steps you can follow to devise a financial plan for your party rental business plan:

  • Determine your start-up costs: This will include the cost of purchasing or leasing the space where you will operate your business, as well as the cost of buying or leasing any equipment or supplies that you need to start the business.
  • Estimate your operating costs: Operating costs will include utilities, such as electricity, gas, and water, as well as labor costs for employees, if any, and the cost of purchasing any materials or supplies that you will need to run your business.
  • Project your revenue: To project your revenue, you will need to consider the number of customers you expect to have and the average amount they will spend on each visit. You can use this information to estimate how much money you will make from selling your products or services.
  • Estimate your expenses: In addition to your operating costs, you will need to consider other expenses, such as insurance, marketing, and maintenance. You will also need to set aside money for taxes and other fees.
  • Create a budget: Once you have estimated your start-up costs, operating costs, revenue, and expenses, you can use this information to create a budget for your business. This will help you to see how much money you will need to start the business, and how much profit you can expect to make.
  • Develop a plan for using your profit: Finally, you will need to decide how you will use your profit to grow and sustain your business. This might include investing in new equipment, expanding the business, or saving for a rainy day.

Party Like a Pro: How to Start a Party Rental Business

Parties: not just fun, but profitable, too.

That is if you own a party rental business.

Okay, we get it: renting out tables, chairs, and tents doesn’t sound like the sexiest business proposition ever.

But the party rental industry is worth over $6 billion .

And these companies have an enduring business model. You buy something once and then rent it out for profit over time. You end up making far more than the original purchase price of the item after a few rentals.

Here’s another bonus: These companies are not that hard to operate once you get the equipment, marketing, and software in place.

But getting to that point is challenging for new business owners. Finding someone else who worked out all the kinks makes it much easier.

Here are the steps to follow if you want to start a party rental business and why buying one is a much better way to cash in on the demand.

Why Buy a Party Rental Business Instead?

business plan for party equipment rental

One of the biggest challenges of starting a party rental business is getting the perfect balance of equipment that people want while maximizing your budget. You don’t want to invest dollars in things people never rent or get phone calls asking you for items you didn’t buy.

Party rental businesses face multiple challenges beyond finding the right type of equipment, including:

  • Wear and tear/maintenance on the items
  • Safety and liability concerns
  • Some items are more seasonal than others
  • Storing the equipment and transporting it to events

If you find someone else with the equipment on hand and operations on autopilot, you can start making money a lot faster. An established business is a proven one.

An existing business owner has already figured out how to deal with the unique recurring challenges of the business and has brand awareness you can build on once you take over.

If you scope it out online, you’ll find party rental businesses for sale on marketplaces like BizBuySell or Dealstream . You can also use networking or BizScout , a tool we own, to find off-market deals.

Even better, you can use seller financing to get behind the wheel of one of these businesses on better terms than most bank loans.

But if your heart’s set on starting your own party rental business, the steps below will show you how.

1. Chart Your Course with Market Research

Any new business owner should start by defining their customers and service offerings before launching. Ask yourself 2 questions to start with:

  • Will you rent out to mostly residential or commercial clients?
  • Will you niche down on one event type or serve a variety?

Then, look at all the party rental companies in your area or nearby areas. Make lists of what they rent out and any target markets. As you do this, look for gaps that they don’t serve.

Here are some things to look for:

  • What party items aren’t available from competitors?
  • How much do they cost to rent?
  • Which companies struggle with digital marketing?
  • Which ones seem hard to get a hold of from a customer’s perspective?
  • What do reviews from past customers have to say about them?

Looking at these factors will give you an idea of market demand. It’ll also show you any potential underserved needs and ways you can improve upon the competition’s offers.

Buying an established party rental business is a shortcut through the market research process. An ideal business to buy has already answered all of these questions.

When you take the reins, you can compare the business’s performance to what the market wants. Then, you can develop a plan to make the existing business a better fit for the market.

2. Craft a Winning Business Plan

It’s well worth writing a thorough business plan to cover all aspects of your new startup, including:

  • A summary of the target market you will serve
  • A list of the equipment you need (including your plan for storage and transportation)
  • Your cost estimates for starting and ongoing operations
  • Your pricing structure and service offering
  • Your marketing plan

Don’t skimp on your business plan. This is the guiding document for your business, so put real thought into it. Plus, you’ll need to present it to banks or investors if you need outside financing.

Buying an established business means you take over their business plan, too. You can take a look at what’s working for them and modify the business plan to suit your goals for the company.

3. Navigate Legal and Regulatory Hurdles

business plan for party equipment rental

Any new business must at least register as a company with the secretary of state. You may also need a business license depending on where and how you operate your business.

When you register, you’ll declare your business structure and claim your business name.

The simplest structure option is to register as a sole proprietorship. But sole offers no liability or tax benefits.

Since you’ll join an industry with some liability concerns, forming an LLC or a corporation is a better way to protect your personal assets.

Your state or local government might require special licensing and permits, too. Check out a reseller’s ID if you’ll buy any items that potential customers may purchase.

While you’re setting up all your licenses and registration, buy insurance to protect yourself from unforeseen events.

At a minimum, get policies for:

  • General liability insurance
  • Car insurance for any company vehicles
  • Business interruption insurance (if you experience a sudden halt in business)
  • Workers’ compensation insurance for any employees

Jumping through legal hurdles is important for a business. You can cut down on regulatory downtime by buying a business that already has its ducks in a row.

4. Determine What You Need in Your Inventory and Secure Financing

You need things to rent, so plan for your startup budget carefully.

What you choose depends on your niche.

You may start small and grow over time, so consider going with basics like tables, chairs, linens, and decor. If you’re doing kids’ parties, you might want to go with inflatables and games instead.

You’re looking for functional and durable materials when you buy for a party rental business. This holds true no matter what niche you go into.

These items may get a lot of use indoors or outdoors, so you want something that stands the test of time.

When you order your inventory, make sure you have sufficient space to store them. If you don’t have a vehicle to move the rental items from your storage to a party’s location, you’ll need to plan for that, too.

In the interim, you could always rent a truck on the day of until you make enough money to get your own.

Don’t forget to include things like your rental space and any salaries you’ll pay in your startup budget, too.

Once you know what you need, secure financing for your new business. That may include a mix of:

  • Personal funds like loans, credit cards, or savings
  • Business or bank loans, such as from the SBA
  • Investor funds

Each of these comes with their own pros and cons.

With your personal funds, you take on all of the risks. With loans, you need to start making money fast to pay down your debt. And with investors, you end up sacrificing some of your profit to a partner.

But you can use seller financing to get the deal done if you buy a party rental business from someone else.

That may come with better terms than the other options. And you get all the equipment you need to start. That eliminates a lot of work and risk upfront.

5. Streamline Your Business Operations

Smooth operations make an enjoyable business. And operationalizing also turns your business into something you can hand off to a full-time employee to run the day-to-day.

A few things you need to get regular bookings and keep things running:

  • A website with photos of all your equipment and the specs/sizes of each
  • A maintenance plan to ensure you get the maximum life out of your materials
  • Software to organize inventory flow (like Booqable and GoodShuffle )
  • Software for invoicing and accounting purposes
  • Training for staff on customer service, equipment handling, and safety

Renting out party equipment seems simple, but you really need staff to help you run at scale. Even one full-time operator could handle scheduling, transport, and customer service for you.

You may also need contractors to help load/unload at each site to speed things up.

As you book gigs, listen to feedback and incorporate comments from customers. Encourage happy customers to leave reviews, too.

When you buy a business, you get the operations infrastructure, too. Some businesses might be behind the times and require modernizing. But, even then, you’ll start out with something that’s already operational.

6. Market and Promote Your Rental Business

A memorable brand makes it so much easier to generate new and repeat business in the party rental world. Start with a good name and a clear business logo.

But “build it and they will come” doesn’t work in any business. Invest in local advertising and online marketing to let people know who you are and what you do.

For your online presence, set up a business website that:

  • Showcases what you have to offer with reviews and photos
  • Makes it easy to contact you (or even book things directly)
  • Answers common questions from customers

Your website should also touch on the event types for SEO purposes. Make it clear who you serve on your home page and create a service landing page for each event type you cater to.

For example, you might create a page for graduation parties, weddings, birthdays, or retirement parties, depending on your service offerings.

You can also use social media and a Google Business profile to share a lot of the same information while also capturing reviews.

Local advertising is key, too.

Community events like concerts, parties, or festivals need equipment, and forming a relationship with these event planners could lead to repeat business.

You might even partner with other related business owners, such as caterers, to win gigs together.

If you buy the party rental company from a successful business owner, you can leverage their existing marketing and customer awareness. The business that existing marketing efforts bring in will buy you space to try out new ideas.

Next Steps: Tips for Growing Your Party Rental Business

After you book gigs frequently, it’s time to think about scaling. There are a few ways to do that with your party rental company, including:

  • Diversifying into new equipment like tents or bounce houses
  • Getting into new niches, like kid’s parties
  • Expanding your business to new locations or franchising out

In order to do this, make sure you’re on solid operational ground with staff who can handle most issues and software that streamlines most of the logistics.

If you buy into the party rental business instead of starting your own, you’ll focus on this step at the very beginning, looking for ways to optimize.

If you buy good materials and maintain them, purchasing things once to rent out over and over again is a great business idea. You’ll earn back your investment and more in a high-demand business.

Since party rental business owners face some challenges in the early days, you can boost your chances of success by buying into someone else’s established company. Using seller financing to secure all the equipment, vehicles, and staff, you can earn revenue from day one.

How to Start a Party Rental Business: A Basic Step-by-Step Guide

Start a Party Rental Business: A Basic Step-by-Step Guide

Starting a party rental business can be exciting, but it's important to approach it with a well-thought-out plan to ensure success. With the right equipment and strategy, you can provide customers with everything they need for a memorable celebration. In this article, we'll walk you through the eight key steps to starting a party rental business, from market research to setting your pricing strategy.

Step 1: Market Research The first step in starting any new business is market research. This involves collecting information about your target market and what makes a successful party rental business. Study the market in your area, research your competitors, and gather information about pricing, margins, and profits. This will give you a solid foundation for your party rental business plan.

Step 2: Create a Business Plan Once you have conducted your market research, it's time to create a plan for your party rental business. Your business plan should outline your mission, strategies, target market, funding, expected profits, and goals. It should be a living document that you update every six months to reflect any changes in your business.

Step 3: Register Your Business Before you can start operating, you need to make sure you have the correct licenses and permits. This will vary depending on where your business is located, so be sure to check with local officials for the specific requirements.

Step 4: Purchase the Right Equipment When choosing equipment for your party rental business, consider what your customers are looking for. Conduct surveys or focus groups to get a clear picture of what items are in demand. You may also consider sub-renting equipment that is in high demand but not frequently used by your business. Make sure you don't overspend on equipment and remember to keep your inventory list balanced with a mix of items that are easy to store and those you can sub-rent.

Step 5: Decide on Your Pricing Strategy Your pricing strategy should be based on your market research and business plan. Consider what your competitors are charging and what your customers are willing to pay. Set your prices competitively, but not too low as this can affect your profits and customer perception of quality.

Step 6: Establish Your Brand Your brand is an essential aspect of your party rental business. Create a memorable name, logo, and website that represents your business and appeals to your target market. Make sure your brand is consistent across all marketing materials, including your website, business cards, and flyers.

Step 7: Market Your Business Marketing your party rental business is crucial for attracting customers and building your brand. Consider traditional marketing methods like print advertising, direct mail, and email marketing, as well as online marketing such as social media, search engine optimization (SEO), and online advertising.

Step 8: Continuously Improve Your Business Once your party rental business is up and running, it's important to continuously monitor and improve it. Conduct regular customer surveys to get feedback and make changes as needed. Evaluate your inventory and equipment regularly, and consider updating or expanding your offerings based on customer demand.

In conclusion, starting a party rental business requires careful planning, research, and execution. But with the right approach and a focus on your customers, you can build a successful and profitable party rental business.

business plan for party equipment rental

If you’ve ever thrown a large-scale party, planned a wedding, or been in charge of a large corporate event, then you may already have experience in renting party equipment, like tents and tables. Starting a party rental business of your own will mean you can help other party hosts find the equipment they need. If you have great organizational skills and an awareness of the types of equipment needed in your community, you’ll be well-suited to running this type of business. Plus, if you love throwing parties and have creative ideas, you can make suggestions to increase your sales while helping hosts create unforgettable parties.

Business Overview

Party rental businesses offer a large volume of expensive supplies that are must-haves for larger parties. These are supplies that occasional party hosts couldn’t justify buying themselves, like tents, bounce houses, inflatable slides, chairs, tables, lighting, decorations, linens, and more. These businesses often have a comprehensive inventory of items for a host to choose from, allowing a customer to do nearly all of their supply shopping from one business.

As part of the rental service, a business will deliver and often set up the equipment. After the event, pickup is also included in the rental cost, though some customers may choose to pick up and drop off smaller pieces of equipment.

Industry Summary

The party rental industry is a booming business and is projected to generate $6.3 billion by the end of 2023 and grow at an annual rate of 8.3% from 2021 to 2026 .  There are an estimated 10,341 businesses in this industry employing over 56,000 people.

Festivals and religious ceremonies account for 37% of the total market share, while corporate events make up around 10%. Some party trends for 2022 include going big with over-the-top decor, unique catering presentations, and unexpected entertainment like tarot card readers, dance performances, 360 photo booths, and fine art painters. Live entertainment is also popular, with options such as caricaturists, impersonators, belly dancers, fortune tellers, magicians, and more

According to Current, other trends are currently  shaping the event rental business industry . Event hosts are increasingly turning to new, creative, and non-traditional venues. These non-traditional venues can include barns, warehouses, lofts, and different outdoor settings. They give rental businesses a chance to create setups that are unique and work with these different settings.

Party hosts are also increasingly focused on sustainability. Party rental businesses can embrace this trend by replacing plastic tablecloths with cloth ones, supplying energy-saving lights, and even using electric delivery vehicles to cut back on fuel use.

Target Market

The target market for a party rental business will depend on the business’s area of specialty if there is one. Businesses may specialize in wedding, birthday party, or corporate event rentals, and each will have a different target market. Some businesses take a more general approach or choose to offer products for each specialty area to appeal to a wider potential market. Businesses may market directly to people who are throwing these parties or market to event venues and event planners or managers.

Checklist To Start A Party Rental Business

If you’re thinking about starting your own party rental business, there are a few things you should keep in mind. Here is a checklist of the essentials to get started.

Step 1:  Research the party rental market and analyze competitors

Starting a new party rental business requires careful market research and planning. Here are some steps you can follow to assess if there is enough demand in your chosen area:

Competitor Analysis : Identify and analyze your competitors in the area you’re planning to open your business. Look at their offerings, prices, and service areas. Google Maps and Yelp are useful tools to find local businesses. If there are many party rental companies operating successfully, it may indicate a strong market.

Demographics and Psychographics : Identify the demographics and psychographics of your potential customers. Tools like the U.S. Census Bureau’s American FactFinder can provide a wealth of demographic data.

Surveys and Interviews : Conduct surveys and interviews with potential customers to understand their needs, preferences, and willingness to pay. Use online survey tools like SurveyMonkey or Google Forms.

Online Research : Look at online communities and forums (e.g., Reddit, Quora) for discussions related to parties and events. This could give you an idea of what potential customers might be looking for in a party rental service.

Events and Parties Data : Research the frequency of events and parties in your area. This could be from corporate events, wedding events, children parties, etc. Local event planning businesses, event venues, or community calendars might provide this information.

Local Economic Conditions : The local economic condition can significantly impact your business. Research local economic conditions, population growth trends, and average income levels by contacting your local economic development agency.

Regulatory Environment : Understand the local laws and regulations that might affect your business. Some cities may have restrictions on certain types of events or require permits for certain kinds of rental equipment.

SWOT Analysis : Finally, after gathering all this information, perform a SWOT analysis (Strengths, Weaknesses, Opportunities, and Threats) to get a clear picture of where your business stands in the current market.

Remember that while research and analysis are critical, they are just the first step. Running a successful business also requires excellent customer service, a well-maintained inventory, competitive pricing, and effective marketing.

Step 2:  Write a business plan

After verifying that a market exists for your party rental business, the next step in starting your business should be to write a business plan.  Writing the plan forces you to consider and research important aspects of the business, such as who the competitors are and what makes your business different, pricing strategy, and whether the business can be profitable. Not only will a bank require you to have a business plan, but multiple studies have shown that a business plan helps increase the odds of starting a successful business.

Related: How to write a business plan

Step 3:  Secure funding

Depending on the size and scope of your business, you may need to obtain funding for inventory, storage space, delivery vehicles, and other operating costs. Armed with a business plan, here are some common sources of funding:

Friends and Family : Some entrepreneurs may turn to friends and family members who are willing to invest in their business.

Bank Loans : Traditional bank loans are often used for starting businesses. These could be term loans, lines of credit, or equipment loans specifically for purchasing rental inventory. Should the loan be considered too risky for the bank, or the borrower has lower credit or collateral available, the bank can look to the Small Business Administration (SBA) for a loan guarantee. The bank will typically only loan between 75% – 85% of the total project.

Equipment Financing : Some equipment vendors offer financing and leasing options. This could be a cost-effective way to finance your rental inventory, particularly if you need large amounts of costly items like tents, stages, or high-end event furniture.

Step 4:  Register the business

If you’re planning to start a party rental business, there are several legal steps you need to take. While the specific requirements can vary from state to state, here are the general steps you’ll need to follow:

Choose a Business Structure : The business structure you choose will affect your legal liability, tax obligations, and administrative requirements. Many small businesses start as a sole proprietorship or partnership, but some choose to form a Limited Liability Company (LLC) or corporation to protect their personal assets from business liabilities, and for potential tax benefits.

For party rental businesses, an LLC is often preferred because of its liability protections and simplicity relative to a corporation.

Related: Comparison of business structures

Register Your Business Name: After registering the business structure, you may need to register your business name. This process will vary depending on what business structure you pick. Sole proprietors and partnerships will often be required to register a “Doing Business As” (DBA), while corporations and LLCs register with the state during the formation process.

Related: Tips for naming a party rental business

During this time, it’s also a good idea to check if the name you want is available as a web domain, even if you’re not ready to set up a website yet.

Related: Finding a domain name for your business

Obtain Business Licenses and Permits: There are typically very few requirements for party rental businesses, but one, in particular, is special permitting for certain types of rental items (like large tents or inflatables).

Depending on your location, there will likely be a variety of general licenses or permits needed before opening. This could include a business license, seller’s permit, and Employer Identification Number (EIN).

Related: State guides for general business licensing

As you go through these steps, remember that every state has different requirements. You may want to consider getting professional legal and accounting advice to ensure you’re meeting all the necessary requirements and making the best decisions for your specific situation.

Step 5:  Begin sourcing equipment

Finding reliable suppliers is critical for a party rental business, as the quality, availability, and cost of your inventory can directly affect your customers’ satisfaction and your bottom line. Here are some tips to help you find suppliers:

Of course, a simple internet search targeting “party rental equipment suppliers” or “wholesale party supplies” is a great way to start.

If your budget allows, one of the best ways to find equipment and supplies would be to attend industry trade shows and events, such as The Special Event Show (TSE), International Live Events Association (ILEA) events, or the American Rental Association (ARA) annual trade show. They are an excellent opportunity to network with potential suppliers, review their products firsthand, and initiate professional relationships. Speaking of networking, joining industry associations and engaging with other business owners can often yield invaluable advice and recommendations.

Online platforms are another crucial source to find suppliers; websites like Alibaba , Global Sources , or Thomasnet offer an easy way to find potential suppliers worldwide. However, do consider the additional implications, like customs and extended shipping times, for overseas suppliers.

Once you’ve identified potential suppliers, diligently research their reputation, reliability, service terms, and product quality. Negotiating terms is a critical part of the process, so don’t hesitate to discuss pricing, delivery schedules, minimum order quantities, or return policies. Last, remember that finding the right suppliers may take time and involve some trial and error.

Step 6:  Develop a marketing strategy

Most party rental businesses are mobile-only operations, so developing a well-thought-out marketing plan is critical.

A crucial first step is creating a strong online presence – it should be easy to navigate, with detailed information, pricing, and clear images of the rental items. Online marketing can extend to utilizing SEO strategies to improve visibility on search engines and employing social media platforms to engage with potential customers and showcase your products in use. Paid online advertising, especially through Google Ads or social media platforms, can help reach a larger audience. It’s also worth considering email marketing campaigns to keep past and potential customers informed about new products, special promotions, or seasonal offerings.

Offline marketing strategies can be just as valuable. For instance, networking with local event planners, caterers, venue owners, and other industry professionals can lead to referrals. Participating in local events, bridal shows, or trade shows can increase visibility and allow potential customers to see your products firsthand. Direct mail campaigns can be implemented, such as postcards or flyers, to specific neighborhoods or demographics.

It’s essential to remember that marketing isn’t a one-size-fits-all process. What works best will depend on your specific business, your target customers, and your local market conditions. You’ll likely need to experiment with different strategies, track your results, and adjust your approach as you learn what works best for your business.

Step 7:  Prepare to launch

We’ve gone over the common steps someone would need to take to start their business, but every business is going to have different needs. There are a few other items that will likely be needed, that I’ve included below.

Business Insurance : Given the nature of the party rental business, it’s critical to have appropriate insurance coverage. This can include general liability insurance (for accidents or injuries involving your rental items), property insurance (to protect your inventory from theft or damage), and commercial auto insurance (if you’re delivering equipment). It’s advisable to consult with a knowledgeable local insurance agent or Coverwallet or Hiscox , to ensure you have adequate coverage.

Vehicle : If you don’t already have an adequate vehicle, you will need something to transport your rental equipment to the customer’s location. The type of vehicle you should buy for your party rental business depends on the size and type of equipment you will be transporting. A large van or box truck may be suitable for transporting larger items such as tents, tables, and chairs, while a smaller van or pickup truck may be sufficient for smaller items.

A business vehicle can be financed with a business loan, but will likely have higher interest than getting a vehicle loan.

Bookkeeping : Keeping accurate financial records is crucial for any business, and a party rental business is no exception. Implementing a reliable bookkeeping system from the start will help you track income and expenses, prepare your tax returns, and make informed business decisions. Consider using accounting software like Wave Accounting (FREE) or Quickbooks .

Contracts : A standard rental agreement contract is an essential tool for a party rental business. This contract should outline the rental terms, payment details, liability waivers, cancellation policies, and any other terms and conditions. Other industry-specific contracts might include vendor agreements (if you’re working with third-party vendors) or venue agreements (if you’re delivering equipment to specific venues). It’s advisable to work with a business attorney to develop customized contracts. RocketLawyer and Law Depot have free and inexpensive templates that may be helpful as well.

Business Bank Account : Opening a separate bank account for your business is crucial for separating personal and business finances, which is important for tax and legal reasons.

Storage Space : Ensure you have a secure, clean, and organized place to store your equipment. This not only prolongs the lifespan of your inventory but also makes it easier to manage your rentals and prepare for events.

Accepting Credit Cards : Offering multiple payment options, including credit cards, makes it more convenient for your customers and can potentially boost sales. You can set up a merchant account or use a payment service like Square or PayPal.

Hiring Employees : If your business expands beyond what you can handle alone, you’ll need to hire employees. Even if you’re starting small, it’s wise to have a plan in place for finding and training reliable staff. This could involve hiring delivery drivers, customer service representatives, or even event setup and teardown crews.

Be prepared for the additional responsibilities that come with having employees, like payroll taxes and worker’s compensation insurance.

Remember, these are common considerations for many party rental businesses, but every business is unique. Be sure to consult with professional advisors and carefully assess your specific needs and circumstances. Finally, never underestimate the importance of excellent customer service. Your reputation is one of your most valuable assets, and satisfied customers are your best source of new business.

Common Questions When Starting A Party Rental Business

How much does it cost to start a party rental business.

The total cost to start a party rental business can vary greatly depending on your location, the size and scope of your business, and the type and amount of rental equipment you plan to carry. A basic startup could cost around $10,000 to $50,000, but a larger-scale operation might require an investment of $200,000 or more.

The startup costs include several key items:

1. Rental Equipment : This will be your primary investment. Depending on what you plan to rent out – from chairs, tables, and linens to tents, dance floors, and specialty items like photo booths or inflatables – the cost can range from a few thousand to well over a hundred thousand dollars.

2. Vehicle and Transportation : If you plan to deliver and pick up items, you’ll need a reliable vehicle. A used cargo van or small box truck can cost anywhere from $10,000 to $30,000. You’ll also need to account for the cost of fuel and vehicle maintenance.

3. Business Registration and Licenses : The cost for this can vary by state and local area, but expect to pay a few hundred dollars for your business registration and necessary licenses and permits.

4. Marketing and Advertising : Budget for marketing materials like business cards, flyers, and a website. Online advertising can also be beneficial. Allocate at least $1,000 to $2,000 for initial marketing efforts.

5. Office and Storage Space : If you don’t have space at home, you may need to rent a storage facility or warehouse. The cost will depend on the size and location, but could range from a few hundred to several thousand dollars per month.

6. Party Rental Software : This includes point of sale and booking software, as well as bookkeeping software. These can range from $20 to $100 per month or more.

Related: Best party rental software

7. Initial Supplies : This would cover things like fuel for delivery vehicles, cleaning supplies for equipment maintenance, etc.

8. Operating Expenses: In addition to these initial expenses, you should also have three to six months of operating expenses as a buffer. This would cover rent, utilities, employee wages (if any), insurance, vehicle maintenance, and any loan payments. This can also vary widely, but it’s not uncommon for a small business’s monthly operating expenses to be in the $2,000 to $10,000 range or more.

Again, these are rough estimates. It’s important to do your own research and create a detailed business plan to estimate your specific startup costs accurately.

How much can a party rental business owner make?

Data on the specific income you could expect with a party rental business isn’t available, but keep in mind that your income will depend on many factors. A smaller business intended for backyard parties won’t bring in the same income that a larger business that caters to weddings and corporate events might see.

To help estimate potential revenue in the rental industry is the ROI (Return on Investment) formula. For example, if you purchase a chair for $20 that can be rented out for $5 per event, after four rentals, you’ve recouped your initial investment. Every rental of that chair afterward is profit (minus any maintenance or replacement costs). If you have 200 chairs and they are rented out once every weekend, that’s $1,000 per week, or $52,000 per year, from chairs alone.

Remember, though, you also need to subtract your operating expenses, like storage, transportation, insurance, marketing, and any employee wages, from your gross revenue to calculate your net income. So if your annual expenses are $20,000, and your gross revenue from rentals is $52,000, your net income would be $32,000.

This is a very simplified example and actual results can vary greatly.

Some party rental businesses, especially larger ones with a wide variety of popular rental items and efficient operations, can potentially net six figures annually, while smaller or less efficient ones might make far less. It’s important to do your own calculations based on your specific business model, costs, and market rates.

It’s important to realize that the party rental business can fluctuate, especially since it’s closely tied to disposable income and overall economics. This can also be a very seasonal business, with events occurring more frequently around the holidays or during times of good weather. Branching out into multiple event types, such as corporate holiday parties and weddings, can increase your bookings, but it also means that you’ll need to invest in and store more equipment.

What skills are needed to run a party rental business?

While you won’t need a business degree to start a party rental company, certain skills and experiences are useful and can increase your business’s chances of success.

Understanding of party and event trends.  A party rental business owner needs to have their finger on the pulse of party and event trends. This awareness can help to keep a business’ inventory current and appealing to potential customers.

Party planning experience.  While not a requirement, a business owner with party planning experience can better understand the target audience and the challenges and pain points they face.

Knowledge of party equipment.  Strong knowledge of party equipment, from AV technology to tents to folding chairs, will allow a business owner to identify the types of equipment that will be most in demand and to wisely make inventory purchases.

Customer service skills.  Great customer service skills are important, especially since emotions can run high around special events. A business owner needs to be able to communicate clearly and quickly solve problems.

Organization skills.  With large volumes of inventory, being organized is important in keeping track of supplies and in preparing orders. Attention to detail is also highly important.

Networking skills.  Networking is essential in this industry since connections with event planners, business owners, and event facilities can lead to potential bookings.

Management experience.  Nearly any party rental business will require multiple employees, so experience in hiring, training, and managing staff is valuable.

How to Create a Business Plan for Your Party and Events Rental Business

Blog Author

When it comes to starting a new business endeavor , you need to make sure that you have a firm foundation to build upon. An event rental business plan is an essential document that you can refer back to as the company grows or shifts over time.

However, it is also a key piece of the puzzle if you are attempting to get a small business loan from the bank. You need to prove that your party and events rental business can turn a profit so that the lender can rest easy about their investment in you. With a party rental business plan in hand, you can make a great first impression.

Let’s look at the different sections your business plan should include:

Industry Overview

The foundation of your business plan begins with the industry overview. This overview doesn’t have to be a long section of your plan, but it should be enough to give lenders an idea of why your particular business could be profitable.

In this section, you will list specific statistics about the industry as a whole, revenue expectations, and growth percentages for your particular area.

Executive Summary

In your party tent rental business plan, you will want to have a small section for an executive summary. This key component of the business plan details why you want to start this business, a short biography about why you are the best person to run the company, and a brief description of the services you plan to provide.

Keep in mind that this is meant to be just a summary and does not need to be too lengthy. You may have the best success writing this section last. Once you have a firm idea of what else is included in the business plan, summarizing it should be simple.

Service List

If you want to make a great impression with your business plan, you need to have a clear idea of what services your company will provide. Most party and event rental companies offer tents and other items that are easily rented by customers. However, you may want to consider renting out additional items such as:

  • Tablecloths, napkins, and other linens
  • Centerpieces
  • Tables and chairs
  • Audio or visual equipment

In a tent rental business model, you might have an extensive list of equipment that you need to purchase to get your company off the ground. Make sure to thoroughly list all of the rental services you intend to offer to potential customers in this section of your business plan.

This list also gives the lender some idea of how much initial capital you will need to get the company off the ground.

Mission Statement and Vision

While the other parts of your event rental business plan are likely to be focused on the services and bottom line, you also need a clear idea of where your business is headed. Relaying your vision and mission statement clearly is essential. This section is the area where you will set long-term goals for the company.

Keep in mind that you are here to run a business, so this section can focus on the growth you hope to see in the market and how you can become a leader in the event and party rental industries.

Structure and Roles

Who is going to help you run your business? Even if you are the sole employee, you need to be very clear on what roles you will play within the company. You might be the CEO but also be in charge of the day-to-day operations. However, if your organization isn’t limited to just you, then you will need to define the roles within your company.

SWOT Analysis

The chances are that you have heard of the SWOT analysis before, even if you haven’t done one for your event rental business plan. It stands for strengths, weaknesses, opportunities, and threats. The primary goal of this section of the party rental business plan is to demonstrate how your company will fare in the marketplace.

Where will your business shine, and where will you face more struggles? It is a good idea to be as specific as possible about the strengths of your business. However, you may want to be a little vague about the potential weaknesses of the company. For example, you might cite more competition as the major weakness for your company.

Marketing Strategies

How will your business get in front of more people? There should be a dedicated section in your tent rental business plan about your marketing strategies.

In this section, you can include print materials or advertisements in local publications. You might also include the costs of creating a website, investing in search engine optimization, and paid social media advertisements.

Under this section, you should also identify who you are marketing to. Does your event rental business cater to party-planning professionals, wedding planners, or a unique section of the local population? Narrowing down who you are marketing to helps you to spend your advertising budget wisely.

Sales Forecast

When it comes to securing a loan for your tent rental business model, the lender wants to know how you plan to make money. If you haven’t yet opened the doors to your business, predicting this can be a bit of a challenge. You may have to base your sales forecast numbers on the industry averages for your local area.

Of course, your business will hopefully grow over the first years of operation. As a result, most business owners will want to include separate sections for their first, second, and even third year in business.

This segmented approach allows you to account for the initial investment in equipment such as tents and tables so that you can demonstrate how much more profit you will make in subsequent years of operation.

Pricing Strategy

Whether you have to purchase all new equipment or already own some of the materials, it is crucial to outline how your business will make money. Compare how much you will rent out your party supplies with how much of an investment you must make in them.

This section is also the place to sort out the details regarding additional fees you might charge and how deposits for your rentals will be handled.

Business Expenses

No business plan would be complete without a closer look at how much money you will spend on your expenses. This assessment can include the initial startup costs of purchasing tents, tables, and chairs. It also includes any month-to-month expenses such as storage rentals or operational costs such as rental management software.

Once you know what you expect to spend on your business, it can be easier to justify a business loan to the bank and prove that your events rental business will start to turn a profit quickly. Take your time filling out this section making sure that everything you need is included.

business plan for party equipment rental

Hello everyone,

I have the possibility to fly cheaply from either Vienna or Budapest to Novosibirsk or Barnaul. I would prefer Barnaul since that would effectively cut my driving time on my first day in half. The problem I am facing is that I cannot seem to find any car rental service online for Barnaul. Only for Novosibirsk. I would appreciate if you can point me to a website that offers this service in Barnaul. Due to the fact that I plan to visit Katu-Yaryk and this is non-negotiable, I think I will need a 4x4 car with a decent amount of ground clearance.

FYI, my driver's license is issued in Austria, I am in my early 30's and my knowledge of Russian is limited.

Also, I understand that for this particular route I don't need a special border zone permit. Is this so? Do I have to register my visa with the police in Gorno-Altaysk?

Thank you and looking forward to your reply!

Barnaul is a city with a population of about 632 thousand people located in the south of Western Siberia at the confluence of the Barnaulka and the Ob rivers, the administrative center of the Altai Krai .

It was founded as a settlement at the Akinfiy Demidov silver smelting plant in 1730. The blast furnace on the city’s coat of arms reminds of those times. Today, it is a large industrial, cultural, medical, and educational center of Siberia . Photos by: Slava Stepanov .

Barnaul: What to see in the gateway to Altai

Museums with curiosities

The Altai State Museum of Local History (ul. Polzunova 46) houses valuable collections on the archaeology and ethnography of the indigenous peoples of the Altai (the Altaitsy, the Teleuty and the Telengity), as well as a large model of Demidov’s silver-refining complex.

The Museum of Time (ul. Matrosova 12) has grown out of the private collection of local resident Sergei Korepanov. The museum is full of amazing things from various epochs, all united by one main criterion: “the item exhibited must raise the interest of visitors from all age groups.” Here you’ll find also a 19th-century stereoscope (a device to view stereo-photographs) from Germany; a field samovar; a 1979 “Pingvin” siphon, which was used in to make lemonade in the USSR; and a Hungarian wooden mule.

A place under the pines

The Barnaul pine forest belt is part of the Yegorevsky Reserve and the foliage of its pines, oaks, willows, poplars and trembling poplars protects the Altai from the dust storms that reach Siberia from Kazakhstan and Central Asia. Most importantly, it is an environmentally clean area where visitors can take a hike or spend a few days.

The Barnaul pinewood forest belt is 550-kilometers long and extends from the Ob River in Barnaul to the Irtysh River in Semipalatinsk in northeast Kazakhstan (3,347 kilometers from Moscow). There are numerous recreation facilities, health spas and summer camps for children, therefore it should be no surprise that locals and visitors love spending time in these quiet forests year round. In winter skiing and ice fishing are particularly popular.

How to get there

There are daily flights (a direct flight takes 4.5 hours) and trains (2.5 days) from Moscow to Barnaul. The railway station is located in the city center, while the airport is 17 kilometers west of the city. From the city the airport can be reached by taxi or by minibus no. 115. Many travelers also come to Barnaul from Novosibirsk, either by train (the journey takes 4-6 hours) or by bus (there are several direct buses every day).
