A book containing the pearls of a PhD work has standardized divisions and formats, where the number of pages should be weighted in terms of content rather than container. The book includes summary, introduction, materials and methods, results, discussion, conclusions, references and acknowledgements.
Two exercises are mandatory before starting a PhD programme:
Now comes the most crucial and functional part of the doctoral work, the materials/subjects and methods section. This part can be considered as the motor of the PhD work. The reliability, sensitivity and specificity of the motor must be checked before embarking on a long journey. Controlling the controls is the best guide for a precise and authentic work. Usually materials and methods contain components such as a description of the species involved, their number, age, weight and anthropometric parameters, types of surgical procedures and anesthesia if applied, and a detailed description of methodology. Continuous or point measurements should be thoroughly described. However, a dynamic method should always be preferred to static one.
The experimental protocol should be designed after a small pilot study, which is especially advisable in research on human subjects. A detailed and well-thought experimental protocol forms the basis of conditions under which the results would be obtained. Any deviation from the experimental protocol will affect the outcome, and the interpretation of results. It may be noted that great discoveries are usually accidental and without a protocol, based merely on careful observation! However, for the sake of a publication, a protocol has to be designed after the discovery. After having described the different phases of the experimental protocol with the help of a schematic diagram e.g., showing variables, time period and interventions, the selection of a statistical method should be discussed. Negative results should not be disregarded because they represent the boundary conditions of positive results. Sometimes the negative results are the real results.
It is usual practice that most PhD candidates start writing the methodological components first. This is followed by writing the results. The pre-requisites for writing results are that all figures, tables, schematic diagrams of methods and a working model should be ready. They should be designed in such a way that the information content of each figure should, when projected as a frame be visually clear to audience viewing it from a distance of about fifty feet. It is often observed that the presenters themselves have difficulty in deciphering a frame of the Power-Point being projected in a conference.
The results of a doctoral thesis should be treated like a bride. The flow of writing results becomes easier if all figures and tables are well prepared. This promotes the train of thoughts required to analyze the data in a quantitative fashion. The golden rule of writing results of a thesis is to describe what the figure shows. No explanation is required. One should avoid writing anything which is not there in a figure. Before writing one should observe each diagram for some time and make a list of observations in the form of key words. The more one has understood the information content of a figure; the better will be the fluency of writing. The interruption of the flow in writing most often indicates that an author has not understood the results. Discussion with colleagues or reference to the literature is the only remedy, and it functions sometimes like a caesarean procedure.
Statistical methods are good devices to test the degree of authenticity and precision of results if appropriately applied. The application of statistical technique in human studies poses difficulties because of large standard deviations. Outliers must be discussed, if they are excluded for the sake of statistical significance. Large standard deviations can be minimized by increasing the number of observations. If a regression analysis is not weighted, it gives faulty information. The correlation coefficient value can change from 0.7 to 0.4 if the regression analysis is weighted using Fisher’s test. The dissection of effect from artifact should be analysed in such a way that the signal to noise ratio of a parameter should be considered. A competent statistician should always be consulted in order to avoid the danger of distortion of results.
The legend of a figure should be well written. It contains a title, a brief description of variables and interventions, the main effect and a concluding remark conveying the original message. The writing of PhD work is further eased by a well maintained collection of data in the form of log book, original recordings, analyzed references with summaries and compiling the virgin data of the study on master plan sheet to understand the original signals before submitting to the procedures of statistics. The original data belong to the laboratory of an institution where it came into being and should be preserved for 5-7 years in the archive for the sake of brevity.
This is the liveliest part of a thesis. Its main goal is to defend the work by staging a constructive debate with the literature. The golden rule of this written debate should be that a rigid explanation looks backward and a design looks forward. The object is to derive a model out of a jig-saw puzzle of information. It should be designed in such a way that the results of the present study and those of authors from the literature can be better discussed and interpreted. Agreement and disagreement can be better resolved if one considers under what experimental conditions the results were obtained by the various authors. It means that the boundary conditions for each result should be carefully analyzed and compared.

Another way of writing a doctoral work is a cumulative type of thesis. 11 It consists of a few original publications in refereed journals of repute. It is supplemented by a concise summary about the research work. This type of thesis is usually practiced in Sweden, Germany and other countries. It has the advantage of being doubly refereed by the journals and the faculty of health sciences. Additionally, papers are published during a doctoral work. A declaration has to be given to the faculty of science about the sharing of research work in publications, provided there are co-authors. The weightage should be in favour of the PhD candidate, so that the thesis can ethically be better defended before the team of august research faculty.

Any deviation from these requirements may lead to rejection of the dissertation and delay in the conferral of the degree.

The approach to writing will vary by discipline. The best way to make sure you are doing the right thing is to talk to your supervisors, plan the structure of your thesis and start writing early and regularly.

If your thesis includes third party copyright material, the Preparation of Graduate Research Theses Rules requires you to include a list of the material and whether or not you have gained permission from the copyright owners to make this material publicly available as part of your thesis. You should aim to write a thesis shorter than the maximum allowed, for example 40 000 for a Masters thesis or 80 000 words for a PhD. Any thesis that exceeds the maximum limit requires permission to proceed to examination, which must be sought via the Graduate Research Examinations Office prior to submission.
It may have been necessary for you to significantly alter your research plan, due the COVID-19 pandemic or other major disruption. In some cases, this may mean that the thesis you submit is not typical for your discipline. In your thesis, you should discuss any methodological changes you have made and explain how the changes arose because of the disruptions. Theses usually also include discussion of possible future research; you may wish to outline research that could be done once conditions change. Your discussion in the thesis of COVID-19 or other impacts will guide the examiners’ understanding of the reported work and the environment in which it was undertaken.
This guide discusses how to explain the impact of COVID-19 disruptions in your thesis. You should consult with your supervisors to decide what approach suits your situation best.
When you include statements within your PhD, other than in the Acknowledgements, they must be objective and within the scope of matters that examiners consider. You can include statements about the impact of COVID-19 or other significant external disruptions on matters such as the scope of the thesis; experimental design; or access to resources including facilities, collections, cohorts of experimental subjects, fieldwork, laboratories, and performance spaces. Note this list is indicative only. If in doubt, contact your supervisor or advisory committee chair about other relevant inclusions.
It is not appropriate to include emotional statements, how your experience compared to others (examination is not competitive), nor impacts such as the need to work remotely, or personal statements on mental or physical health, family, finances, nor the behaviour or availability of supervisors. Examiners are not asked to consider these matters.
While these factors may have had a profound impact on many candidates during the disruptions, there is no concept of ‘special consideration’ in examination of theses. Challenges to candidature are expected to be managed prior to submission and are not considered by examiners. For example, if access to supervisors was a difficulty, alternative arrangements should have been made. Examiners are not asked to make allowance for such factors.
If the disruptions led to significant changes to your project, you could address this in a single location.
For example, you might include a section that addresses the impact that the disruptions had on the entire thesis, or on multiple chapters within the thesis in a systematic and explicit way.
The introduction is where candidates lay out the thesis for examiners and so provides an opportunity to present objective statements regarding the impact of COVID-19 on the thesis. If the disruptions meant that different methodologies were pursued in different parts of the thesis, the introduction is a good place to explain why in a cohesive way.
Alternatively, statements can be added to the preface, to provide context to the work as a whole.
A final conclusions chapter is used to summarise the work and outline future research opportunities. If the disruption prevented you from undertaking particular research activities, you can use this section to highlight these gaps in the study and how they might be addressed.
Carefully explaining how the methodology was shaped by the disruption demonstrates your capacity to think beyond the PhD and to adapt to changing conditions. It can show that you are creative, flexible, and exploratory as a problem-solver.
The skills expected of a strong candidate include an ability to formulate a viable research question and to analyse information critically within and across a changing disciplinary environment.
You have the opportunity to demonstrate these attributes, even if the investigative component of the research was impeded. Remember that the core goal is research training, not the achievement of specific research outcomes.
If the disruptions impacted just one or two chapters of your thesis, they still need to stand alone as quality research.
One option is to explain the original design and how it was revised, either in the chapter introduction or in the section where it best fits in your narrative. It is important to explain to the examiners why you chose that methodology, particularly if it is unusual for your discipline. For example, the disruption may have affected the number or type of interviews that were conducted or have forced a change from experimental work to computational modelling.
Again, writing a focused discussion of the impact of the disruptions on a specific piece of work is an excellent opportunity to demonstrate the qualities and skills that an examiner seeks in a strong candidate.
You may wish to note that your thesis was completed during COVID-19 disruptions, even if there was no specific identifiable impact on the scope of the thesis or the project design. The appropriate location for this note is in the acknowledgements section because it is not examined. Remember that although this is the section where you might offer gratitude for family, friends, supervisors, inspirations, and supports; not every examiner will read the acknowledgements.
Your thesis must be your own work, and you must clearly understand your role as well as the roles of your supervisors and others throughout the editorial process.
The Graduate Research Training Policy limits the editing of theses by others to that permitted in the current Guidelines for Editing Research Theses .
As editorial intervention (other than by your supervisors) should be restricted to copyediting and proofreading, as covered on page two of the Guidelines for Editing Research Theses , it is important that you understand the types of editing as explained on the Institute of Professional Editors Limited (IPEd) website.

If your thesis has had the benefit of editorial advice, in any form, you must provide the name of the editor or company providing the service and a brief description of the service rendered, in terms of the Standards, in the preface of your thesis.
Prior to submission, or prior to your performance or exhibition of a creative component of your thesis, register your intention to submit by logging into the Thesis Examination System (TES). About 2-months prior to your submission is the ideal time for this. Your estimated submission date, or your thesis submission date, must not exceed your maximum submission date, i.e. your expected thesis submission date as listed on the Graduate Research Details page of my.unimelb .
Registering your intention to submit begins the process of the selection of examiners. You will need to provide a brief (80-word) overview of your research question, methods and results which will be sent to potential examiners. If you are submitting a thesis with creative work, include the weighting of the proportion of the written dissertation and creative component/s. You will also be given the opportunity to name up to two people that you consider to be unsuitable examiners, along with substantiated reasons. You are encouraged to create and enter an ORCID .

Data collection may not begin until the Dissertation Proposal has been successfully defended and the study has received IRB approval.
The Proposal should be prepared in accordance with UTC formatting/APA style guidelines and should include a committee page similar to the committee page for the Dissertation, as shown in the Thesis and Dissertation Standards (link: Thesis and Dissertation ). The Dissertation Proposal should also include a Title page which replaces the word “Dissertation” with “Proposal.”
The Proposal includes the first three chapters (Introduction, Literature Review, and Methodology) and their traditional elements, the References, and appropriate Appendices (surveys, assessments, measurement scales). The Proposal typically begins with a description of the context or background for the research question(s) in the study. It also defines key terms and variables and identifies hypotheses.

The Proposal defense includes a 20-25 minute PowerPoint presentation. The candidate will provide the Chair with a draft of the Proposal PowerPoint presentation at least 14 days prior to the Proposal defense.
The Proposal PowerPoint should focus on the research design process and should not typically exceed 14 slides total (not including references). The Proposal PowerPoint recommended organization follows:
The Proposal defense serves as an opportunity for the candidate to share with the Committee a complete first three chapters of the proposed study that is a comprehensive and well-defined plan for the dissertation. The format of the Proposal defense is a 20-25 minute brief and succinct presentation (including the PowerPoint presentation guidelines above) followed by questions from the Committee. The Dissertation Chair will determine when the Proposal is ready for review by the committee. The Chair provides the Committee with the draft manuscript at least 14 days prior to the Proposal defense. The Chair will then contact the candidate and Committee to set a Proposal defense date and time (allotting 90 minutes). Once the date and time have been established, the Chair will notify the Program Office ( [email protected] ). The Program Office will distribute appointment invites for the defense.
Candidates are expected to dress in professional business attire for the defense presentation. On the day of Proposal defense, the candidate will make a brief and succinct overview of the Proposal, ensuring that the following major points are addressed in a thorough yet clear manner:
The Proposal defense requires demonstration of two elements:
Following the candidate’s presentation, each Committee member will be given the opportunity to present questions to the candidate; this is intended to probe the candidate’s understanding of the Proposal and to clarify, to both the candidate and Committee members, information which has been presented. Committee members may also suggest changes in any aspect of the Proposal at this point. It is imperative to remember that opinions may differ; should differences arise, the Chair will provide guidance.
After all Committee members have had opportunities to ask questions and make suggestions or comments, the Committee will deliberate and determine whether or not the Proposal has been successfully defended and can be approved. An approved Dissertation Proposal functions as a document/plan specifying that, assuming the candidate carries out the project as described in the Proposal, the Committee cannot find the Dissertation defense unacceptable based solely upon the research plan. However, it is important to note that approval of a Proposal does not ensure approval of Chapters 1-3 when defending the Dissertation.
Once the Proposal has been approved by the committee and Program Director/Advisor, the candidate may move forward with the IRB application process (link: Academic Research Integrity ). Data collection may not begin until the Dissertation Proposal has been successfully defended and the study has received IRB approval.
The Leadership and Decision-Making doctoral degree requires a minimum of 76 total graduate credit hours. Each Ph.D. candidate is required to successfully complete a minimum of 15 Dissertation credit hours and defend the Dissertation. Ph.D. candidates who do not complete the Dissertation hours within the 15 credit hour time frame must take an additional 2 Dissertation credit hours each semester through graduation. The candidate must be enrolled in a minimum of 2 Dissertation credits (LEAD 7999) during the semester in which the Final Dissertation Defense is held.

What this title does is; (a) ask a question; (b) make it clear what is being studied; and (c) allude to the "how", the methodology. After reading it, we understand what the rest of the pages are about. Specifying is a key way of guiding the reader toward understanding what the rest of your project is about. 3.

It is also tempting to use a humorous title, though this is best saved for when writing for a popular audience.
