Compare all Microsoft Office 365 Plans in one Overview

The Microsoft Office 365 plans offer great tools for businesses and enterprises to fully work in the cloud. Microsoft has changed the names of most plans to Microsoft 365 but also kept partially the Office 365 label. Comparing all the plans together on the Microsoft site can sometimes be a bit challenging, so to help you out I have created an overview to compare all office 365 plans.

If you have a small business with less than 300 users, then the most interesting plans are the Microsoft 365 Business plans. Large organizations will have to look at the Office 365 Enterprise and Microsoft 365 plans.

I have also written a couple of articles where I go more into detail between the different plans, you can find the links further down in the article.

Microsoft Office 365 Comparison Chart

The table below will help you to compare the Office 365 plans. The prices are based on an annual subscription model. Enterprise plans are only available in a yearly agreement.

Note Microsoft added new plans without Teams wich are only available in the European Union. These plans are less expensive. Read everything about it in this article

Microsoft 365 Business plans

For most small businesses is the Microsoft 365 Business Standard plan the best choice. With a price of $12.50 per user per month, you get the full Office 365 suite, with the desktop apps, Exchange Online, SharePoint, OneDrive, etc. Everything you need to get your business started in the cloud. If you also want to fully manage your devices (computers, mobile phones) or make use of advanced threat protection, then take a look at the Business Premium plan.

Office 365 Enterprise plans

The Enterprise plans can also be used by companies with less than 300 users, but they are more meant for companies that also need Active Directory integration or features like Litigation Hold and eDiscovery. You get more storage for Exchange Online, OneDrive, and SharePoint with the Enterprise plans.

Microsoft Office 365 license comparison

Start with an microsoft office 365 trial.

It can be difficult to select the right plan for your business with the many options that are available for Office 365. It’s good to start with the comparison of Office 365 plans, but keep in mind that you can also start with an Office 365 Trial . This way you can see what will work for your organization.

You can use your own domain for the trial, but only do that when you are really sure you are going to proceed with Office 365. Otherwise use a temporary domain, like Contoso-lab01, to test out Office 365.

There are a couple of trails available, Microsoft 365 Business Standard and Premium and Office 365 Enterprise E3 and E5 . If you have a small company, with less than 50 employees I recommend starting with a Microsoft 365 Business Premium trial. The business plans give you some nice features like Invoicing and Outlook Customer Manager which can be really useful in smaller companies.

If you have more than 50 employees I would recommend going for the Enterprise solution. It’s more expensive, but the Compliance and Information Protection services will help you protect your data and make it easier for you to comply with Business regulations and industry standards.

We manage your devices, protect against real-world threats, and provide your organization with the latest in business software. You can sign up for a free trial subscription for Microsoft 365 Business Basic, Microsoft 365 Business Standard, Microsoft 365 Business Premium, Microsoft Defender for Business, or Microsoft 365 Apps for business and try it out for 30 days.

You must use a credit or debit card when you sign up for a free trial. At the end of your free trial period, your trial subscription is automatically converted to a paid subscription. Your card isn't billed until the trial period ends.

Need help with choosing a plan?

Choosing a plan depends on your specific business needs. The Microsoft 365 plan chooser helps you select a plan. The tool makes recommendations based on your answers to questions about things like the size of your business, your field of work, the devices that you use, and what kind of features, IT support, and security that you're looking for.

Before you begin

You don't need an existing Microsoft account to sign up for a free trial.

For all other procedures in this article, the following items are required:

  • You must have a Microsoft account, and you must be a Global or Billing admin for your organization. For more information, see About admin roles .

Find out what type of billing account you have .

  • If you have a Microsoft Customer Agreement (MCA) billing account type, you must also be a billing account owner or contributor to do the tasks described in this article. For more information, see Understand billing accounts and Manage your Microsoft business billing profiles .

Payment options for Microsoft 365 operated by 21Vianet in China

International credit cards aren't accepted. You can pay for your subscription by:

  • Online payment using Alipay or China UnionPay

Proof of payment is provided in the form of Fapiaos. You can submit your Fapiao request to our Fapiao system about three (3) days after you have paid.

Try a free trial subscription

To create an account and sign up for a free trial subscription of Microsoft 365 Business Basic, Microsoft 365 Business Standard, Microsoft 365 Business Premium, Microsoft Defender for Business, or Microsoft 365 Apps for business, use the following steps.

  • Go to the Microsoft 365 Products site.
  • Select the plan that you want, such as Microsoft 365 Business Standard , scroll down the page, and select Try free for 1 month .
  • On the next page, follow the steps to set up your account.

The sign-up process might take several minutes to complete. After it's complete, you're ready to start the setup wizard for your subscription. For more information about setting up your subscription, see Next steps .

When you start a free trial, we automatically create a billing account for you. You use your billing account to manage your account settings, invoices, payment methods, and purchases. For more information about billing accounts, see Understand billing accounts .

Extend your trial

Do you need more time to try out the features of Microsoft 365 for business before buying? If your trial subscription is within 15 days of expiring and hasn't been extended yet, you can extend your trial for another 30-day period. You can only do this one time.

If you have an MCA billing account type:

  • If you're using the Simplified view , select Billing , then select your trial subscription.
  • If you're using the Dashboard view , go to the Billing > Your products page and select the trial subscription that you want to extend.
  • On the subscription details page, in the Trial subscription section, select Extend trial end date .
  • In the Extend your trial's end date pane, review the extension information, and, if necessary, select a payment method.
  • Select Extend trial .

If you have a MOSA billing account type:

  • On the subscription details page, in the Subscription and payment settings section, select Extend end date .
  • In the Extend end date pane, select a payment method to use, or add a new one.

Buy a subscription from your free trial

At the end of the free trial period, most trial subscriptions automatically convert to a paid subscription. The paid subscription defaults to the plan that you currently have. You can buy a different plan by following the steps in Buy a different subscription .

If you want to buy your subscription before your trial is over, use the following steps.

  • If you're using the Dashboard view , go to the Billing > Your products page and select the trial subscription that you want to buy.
  • On the subscription details page, select Start a paid subscription now .
  • In the Start a paid subscription now pane, enter the number of licenses that you want, select a subscription length and billing frequency, then select Change plan .
  • On the subscription details page, in the License section, select Buy paid subscription now .
  • In the Buy subscription pane, choose a monthly or annual commitment for your subscription, then select Checkout .
  • On the Checkout page, verify the information, including Items in this order , then select Place order .

Cancel your free trial subscription

If you decide to cancel your trial subscription before the free trial period ends, go to the Microsoft 365 admin center and turn off recurring billing . The trial automatically expires when your month ends, and your credit card isn't charged.

Try a different subscription

If you already have a Microsoft 365 for business subscription, you can use the Microsoft 365 admin center to try a different subscription.

When you add a subscription through the Microsoft 365 admin center , the new subscription is associated with the same organization (domain namespace) as your existing subscription. This association makes it easier to move users in your organization between subscriptions, or to assign them a license for the other products they need.

  • If you're using the Simplified view , select Billing , then select Add more products .
  • If you're using the Dashboard view , go to the Billing > Purchase services page.
  • On the Purchase services page, find the plan that you want to try, and select Details .
  • In the Select a plan drop-down list, select the trial plan.

All trial subscriptions include 25 free licenses for the duration of the trial period.

  • Select Start free trial .
  • In the Checkout pane, choose the billing profile that you want to use, or add a new one.
  • The Product name section lists the cost, subscription term, number of licenses, and renewal date for the trial subscription. To match the renewal date with another subscription paid by the billing profile, select Select a different renewal date .
  • If necessary, change the number of licenses that you want to buy when the trial ends.
  • When you're ready, select Place order .
  • Choose to receive a text or a call, enter your phone number, then choose Text me or Call me .
  • Enter the verification code, then select Start your free trial .
  • On the Check out page, select Try now .
  • On the order receipt page, select Continue .

Buy a different subscription

As your users change roles, they might need features that aren't available in their current Microsoft 365 for business subscription. When this happens, you can add a new subscription that includes those features and assign licenses to the people who need them.

When you buy another subscription through the Microsoft 365 admin center, the new subscription is associated with the same organization (domain namespace) as your existing subscription. This association makes it easier to move users in your organization between subscriptions , or to assign them a license for another subscription they need.

If you want to move all of your users to a different subscription, see Upgrade or change to a different Microsoft 365 for business plan .

You must move users from your free trial subscription to the new subscription before your 90-day grace period ends after your trial subscription expires. By doing this, you keep your data, accounts, and configuration. Otherwise, that information is deleted at the end of 90 days.

  • On the Purchase services page, select the plan that you want to buy, then select Details .
  • On the product details page, in the Select a plan drop-down list, select the plan, and enter the number of licenses that you want to buy. Select a subscription length and billing frequency, then select Buy .
  • The Product name section lists the cost, subscription term, number of licenses, and renewal date for the subscription. To match the renewal date with another subscription paid by the billing profile, select Select a different renewal date .
  • Select Place order .

Microsoft 365 Family vs Microsoft 365 Business: which is better for work?

If you’re not familiar with the range of Microsoft 365 options on the market, though, the range of options can be extremely confusing. It’s even trickier if you’re weighing up Microsoft’s various family and business plans.

And while it might seem odd to compare home and work products, the rise in freelancing and hybrid working means more people and companies are trying to figure out if they can use Microsoft 365 home products instead of a pricier business package.

Whether you’re a freelancer, an IT manager or a business owner, it’s worth weighing up Microsoft 365 Family and Microsoft 365 Business to find the best option for you – and that’s exactly what we’ve done.

Microsoft 365 Family: what do you get?

There’s no denying that Microsoft 365 Family offers great value. Pay $99.99 per year in the US or £79.99 in the UK and you get Word , Excel , PowerPoint , OneNote , Outlook and OneDrive . Users can run those apps on PCs, Macs, Android and iOS devices and on the web. Access and Publisher are available for PC users, too.

It’s huge versatility, and the impressive set of features doesn’t stop there. Each user gets 1TB of cloud storage so you can sync files across devices. Each user gets 50GB of space with their Outlook email address, and Family users can enjoy Microsoft Teams and Skype for easy communication.

Elsewhere, conventional data protection comes from Microsoft Defender, and OneDrive incorporates ransomware detection and recovery services. There’s even a basic free video editing software and royalty-free templates, stock photos and stock videos.

If you need reliable, synchronized access to productivity tools, then the Home product makes loads of sense – especially if you want productivity software that your family can use. And with support for six users, the Family package is ideal for small businesses with relatively basic productivity needs.

There’s a great option if you’re self-employed, too: the Microsoft 365 Personal product only supports one user, but it only costs $69.99 or £59.99 per year.

Microsoft 365 Business: a better option?

There’s no doubt that Microsoft 365 Family is well-suited to anyone who needs relatively straightforward productivity and email tools, but if you run a business or handle corporate IT systems then you’ll find its limits very quickly.

If that’s the case, then you should consider Microsoft 365 Business instead. These products are more expensive, but they’re far more powerful.

Let’s start with Microsoft 365 Business Basic, which costs $6 or £4.50 per user per month. You get web versions of Word, Excel, PowerPoint, OneNote and Outlook. You get Exchange, too, so you can use your domain name rather than Outlook. Each user gets 1TB of OneDrive cloud storage space alongside 50GB of email capacity.

The Basic product has more collaboration options, in-depth calendaring capabilities and a solid range of admin settings, and its tools also work on Android and iOS – just like in Microsoft 365 Family.

If you’d like to switch your business to downloadable apps rather than online versions, you can pay $8.25 or £7.90 for Microsoft 365 Apps for Business.

Upgrade to Microsoft 365 Business Standard and you get everything in Business Basic alongside downloadable apps and the ability to host webinars . You’ll also get more detailed options about how Microsoft controls and processes your data, which is perfect if you want to retain your existing domain.

Microsoft’s top option, 365 Business Premium, costs $22 or £16.60 per user per month. That’s pricey, but you get class-leading security and management features that you simply won’t find on any other Microsoft 365 product. It’s the best product here if you have a wider network that you need to manage and sensitive data that you have to protect.

The various Microsoft 365 Business products offer more than the Family and Personal tools. Even at the Basic level you get Exchange, and as you upgrade through the tiers then Microsoft adds enterprise-grade management and security abilities.

And, no matter which Microsoft 365 Business tool you purchase, you’ll be able to add 300 users to your system and allow each user to use Microsoft’s products across five different devices.

We can’t deny the increase in cost, though. When all the Business products charge per user and per month, those products will quickly become pricier than Microsoft 365 Family or Personal.

Which should you use?

The relatively high costs means that there are plenty of situations where Microsoft 365 Family will be your best option – even if you’re buying software for business use.

If you’re a small company that only has relatively basic productivity needs, for instance, then you can easily buy Microsoft 365 Family, grant access to five other employees, and enjoy web, mobile and PC-based access to crucial apps.

It’s also ideal for freelancers, people who need a product for their family, and many people who work from home.

Pretty soon, though, you’re going to hit the limits of Microsoft 365 Family, especially if you’re part of a growing business or if you operate in a larger team. If that’s the case, then you or your business should stump up for a Microsoft 365 Business product.

Exchange compatibility means you can use corporate email addresses, those tools support a broader number of users, and as you progress through the tiers you get better security and management options. In terms of protection, deployment and administration, there’s really no competition.

Ultimately, freelancers, sole traders and people who need basic productivity tools can certainly save money with Microsoft 365 Family, and that’s a great option if you want one package to cover home and work use. But if you have a larger business then you’ll almost certainly need the more robust security and management tools available from Microsoft’s proper corporate software.

What is Microsoft 365 Basic? The latest membership tier explained

Microsoft has launched a brand new tier within its own Microsoft 365 subscription service designed to replace the OneDrive 100GB membership.

Microsoft 365 is the new version of Office 365 and is a subscription service to all the well-known Microsoft applications, such as Word, Excel, PowerPoint and more.

The company is expanding its 365 platforms by introducing the latest Microsoft 365 Basic membership tier. But what does this new subscription entail? Read on to find out everything you need to know, including all its features and how much it will cost you.

What is Microsoft 365 Basic?

This is the most recent tier within the subscription service and comes in as the most affordable plan from the company, not including the free membership option.

This plan is designed to be used by one person and comes with 100GB of cloud storage. It is compatible with Windows, macOS, iOS and Android devices, meaning that you can access it from any laptop or PC, tablet or mobile device that supports these operating systems.

Microsoft 365 Excel

Users will not have access to the desktop version of Microsoft apps, but they will be able to work on the web and mobile versions of Word, Excel, PowerPoint, OneNote, OneDrive and more. These versions are less powerful than the dedicated desktop variations and do not have access to all the same features – with no ability to create bibliographies and create citations, for example – but are more than serviceable for typing up documents and essays.

Users also have access to an ad-free version of OutLook web as well as mobile and web email and calendar with advanced security. Moreover, users will be able to contact Microsoft technical support in case they encounter any issues.

How much does Microsoft 365 Basic cost?

It is the cheapest plan available barring the free option. A monthly subscription comes in at $1.99, with a yearly membership costing $19.99.

When will Microsoft 365 Basic be released?

It will be available on 30th January 2023 in America. It is not clear if the service will be available in other territories on that date, but we will update this article once we know more.

Getting started with Microsoft 365: Everything you need to know

For many years, Microsoft sold its productivity software Word, Excel, PowerPoint, and so on in a bundle called Microsoft Office. In 2013, the company saw where the software industry was heading and began a transition to a subscription-based model.

The suite of applications and a growing set of services continued to be called Office 365 until 2020, when it was given its current name, Microsoft 365 . The company would like to see all Windows users have a subscription, and is doing its best to entice them with advertising in Windows. This seems unnecessary, as the service is one of the most affordable subscriptions on the consumer market. In this article, I’ll go through why this is the case, what’s included, and which subscription you should choose.

Office-programmen

Everything included in Microsoft 365

From being basically just the three basic Office programs and a few helper functions, Microsoft 365 has grown to consist of around 10 programs and a number of services. Some are also available as free versions without much difference, but most are significantly more powerful in the paid version. Here are the programs and services that are only included with a subscription.

Word Microsoft’s advanced word processing program has hundreds of features and can do most things with text, except possibly make it look good in print.

Excel The world of finance would stand still without Microsoft spreadsheet software. There are alternatives, but the Windows version of Excel is by far the most capable of working with huge amounts of numbers.

PowerPoint Presentations may not be as important to home users, nor as common in businesses as they once were, but they still have a place and a tool to create them: PowerPoint.

OneDrive with 1TB of space Microsoft’s OneDrive cloud storage service can be used either like Dropbox to sync data between different devices and the cloud, or as a fully cloud-based storage for files you don’t want to offload from your computer. With a subscription, each account gets 1TB of space.

Outlook Tired of webmail and prefer a real email program? Microsoft Outlook is one of the best, even for home users. Confusingly, subscribers also have increased storage space on the separate Outlook.com email service — 50GB instead of 15GB.

Onenote

OneNote If you’ve never tried OneNote, it can be hard to understand what it’s for, but it’s widely used in schools and elsewhere. The program is a kind of digital bulletin board where you can collect text, images, and other things.

Clipchamp Microsoft’s equivalent of Apple’s iMovie — a simple video editing program that allows you to do a little more with all the videos you record with your mobile phone. For example, you can edit a holiday film.

Publisher This desktop publishing program is a better way than Word to produce printed materials such as posters, leaflets, and more, although it’s not in the same league as Adobe Indesign or Quarkxpress. Available only as a Windows program.

Access Databases. You might think it’s just for businesses, but in fact a database program like Access can serve as a relatively easy way to create your own applications. Like Publisher, Access is only available as an old-fashioned Windows program.

Microsoft Editor

Microsoft Editor A new AI-based tool embedded in Word and Outlook and available as a Chromium extension. Editor helps you write better by suggesting language improvements and spelling and grammar corrections.

Microsoft Forms Helps you create and distribute surveys. Very useful for some, completely uninteresting for others.

Skype Skype is not nearly as popular today as it was 10 to 15 years ago, but in one area it is hard to beat: international phone calls. A Microsoft 365 subscription includes 60 minutes of calls to many countries every month.

Individual or family

Microsoft 365 for consumers comes in two flavors: Personal and Family . Personal costs $69.99 a year or $6.99 a month, Family costs $99.99 a year or $9.99 a month. Paying annually gives a 16.7 percent discount. But see below for a tip on how to reduce the price further.

The difference between the two subscriptions is that Family includes up to six separate accounts, each of which gets 1TB of OneDrive space and 60 Skype minutes. Each account can also activate the Office programs on up to five devices. In other words, you get six accounts for the price of 1.43 accounts.

For those who don’t have a family to share the subscription with, it might seem natural to choose Personal, but it’s not quite that simple. 5TB more cloud space for $30 extra a year is nothing to sneeze at, although it does require a bit more fiddling to utilize than a cloud storage service that provides all the space in one account.

I can give a personal example that illustrates the benefit of choosing Family even for a single user. I use two of my six Family accounts solely for backing up my computer; one account each for two 1TB SSDs. I use the Arq Backup software, which is sold as a one-off license, and the cost per year is much lower than with Backblaze , for example. It won’t work for everyone, but is definitely worth considering.

Another option is to get a Family subscription with some friends or relatives you don’t live with and share the cost. Each account is its own, separate account and the ‘administrator’ — the one who pays for the subscription and invites the others — does not have access to any other members’ data. So no one has to worry about being spied on.

Buy discounted activation codes

When you subscribe to Microsoft 365, the company will activate auto-renewals that each month or year will deduct the regular price. But there’s another way to renew your subscription — with activation codes you buy from other stores.

Activation codes are often sold at a discount, especially around Black Friday but also during the rest of the year. You can activate for up to five years, so if you find a really good price, you can grab several codes at once, as long as you know you’ll want the Office programs for that long.

Business subscriptions

Businesses and other organizations have a different set of Microsoft 365 subscriptions to choose from:

  • Business Basic – $6 per month per user, web and mobile versions of Office applications only (not including Windows or Mac applications).
  • Business Standard – $12.50 per month per user, same as Basic but with the desktop programs.
  • Business Premium – $22.00 per month per user, same as Standard plus advanced security features.
  • Business Applications – $8.25 per month per user, just the desktop applications for Windows and Mac plus 1TB of OneDrive storage.

In addition to the above programs and services, a number of business-oriented features are also included that are not available in personal subscriptions. These are mainly SharePoint, Exchange (email) with support for your own domain, the web version of the powerful Visio visualization tool, and the “real” version of Teams.

These prices are exclusive of VAT as it is aimed at businesses. In practice, there is nothing to stop self-employed people buying a private subscription and using it at work, for those who don’t need their own domain for email or have it otherwise, and don’t need any of the other unique features.

Standalone license – usually a bad choice

For those who refuse to pay for subscriptions, Microsoft actually still sells a standalone Office package on license, called Microsoft Office Home & Student. It costs $149.99 and the last update came in 2021 so the programs are not the latest versions. However, Microsoft has announced that it plans to release a new version towards the end of 2024.

What is included is Word, Excel, and PowerPoint — no other programs, nor any services. For most people, this is a worse buy than the subscription, as the programs are not updated with new features and functions like OneDrive are not included. But there are situations where it’s still better, for example for a computer that won’t have internet access and where you want to be able to use the basic programs without restrictions indefinitely.

Free users will have to make do with support documents and Microsoft’s support forums, but Microsoft 365 subscribers will have access to manned support via chat or phone. That can make a big difference if something goes wrong.

This extended support applies not only to the components of Microsoft 365 but also to Windows 10 and 11, so you can get help from a human being if Windows updates are failing, if you’re worried you might have been hit by malware, or anything else.

Customers who buy a standalone license for the Office programs also get support via chat but not by phone.

Stingy? What’s included in free accounts

Some of the features included in Microsoft 365 are also available for free to anyone who gets a Microsoft account. Here’s what’s included even if you don’t want or can’t afford to pay.

Web and mobile apps for Word, Excel, and PowerPoint Has all the basic features of the three main programs in the old Office suite, but only via a web browser.

OneDrive with 5GB Free accounts don’t get a lot of room to move around, but the Windows program to sync files and folders is included and it works great for those who, for example, have a folder of important files they want to access on all devices.

Outlook on the web and for mobiles Microsoft has not made it easy to understand the jungle of different versions of Outlook, but for free users there are two completely separate Outlooks. The web mail client and email service Outlook.com is free and gives you an @outlook.com address with 15GB of space, and the Outlook mobile app for Android and iOS is free and works with most email services such as Gmail, Apple iCloud, and Yahoo Mail.

Skype and Teams You don’t have to pay anything to use Skype or Teams for individuals, although Skype does have a bonus for subscribers.

Options – full office suite or individual programs and services

Don’t like subscriptions, or just tired of Microsoft’s programs? There are plenty of alternatives, both free and paid programs. What’s right for you depends a lot on what you’re actually looking for. There’s so much included in Microsoft 365 that you can’t replace the whole package with a single option from another developer.

If you’re mainly looking for something to replace Word, Excel, and PowerPoint, the best options are free and open source, like Libreoffice and Freeoffice.

For OneDrive, there are many options, from Google Drive and Apple iCloud to smaller players like Shadow Drive and pCloud. You can also create your own cloud storage service that synchronizes folders between different devices using tools such as Syncthing and Seafile.

The best thing to do is to look for alternatives to the particular program you want to replace, and to think about what you need it for. If you use Word to write books, you have very different choices than if you use it to write emails and need features like Mail Merge.

Transferring my godaddy email Plan directly to Microsoft business basic plan

I've been using GoDaddy Outlook email for years, but my current plan is 10GB and I want to upgrade my plan to 50GB.

The price for 50GB email is $10/m at GoDaddy while the same plan from the Microsoft website is $4.75/m (without team) so I want to use business basic plan rather than GoDaddy plan so is it possible to transfer all my data (mail, attachments and calendars) from my current email to Microsoft Business Basic?
