Introduction to Word for Dissertations

Formatting your dissertation (or thesis) will likely take more time than you expect. But using the special features described in this Guide will save you a great deal of work , particularly if you use our template (available in the box below). The earlier you begin to use these tools, the more time you'll save and the less stress you'll have as your submission deadline approaches. Students at the University of Michigan are also encouraged to contact the experts at the Library's ScholarSpace anytime you run into a problem or have a question.

To meet  Rackham’s Dissertation Formatting Guidelines  you will need to modify the standard settings that Microsoft Word uses. This guide will show you how to use the tools to make the necessary modifications.  While we do follow the requirements from Rackham’s formatting guidelines to demonstrate the tools, in the end, you are responsible for verifying that your document meets the requirements that Rackham sets.

To save yourself time and effort , please consider using our Dissertation Template (link available in the box below). Many of the settings discussed in this Guide are already included in that document.

A word about LaTeX

LaTeX is a markup language (sometimes accessed through the Overleaf editor) that is often used in science and engineering documents because it allows for great control in creating complex equations and formulas. ScholarSpace does not maintain a template for dissertations created with LaTeX, and we can only provide very limited support for it. That said, there is a community of U-M folks who actively maintain  this LaTeX template to keep it in line with Rackham's guidelines .

Can I use Google Docs for my dissertation?

No. Google Docs can get you pretty far down the road to something that looks like what Rackham requires, however, it's going to take a lot more work to get that far, and as you approach the finish line you will collide with obstacles that Google Docs just won't be able to get around. The issue is that Google Docs was not designed for complicated documents like a thesis or dissertation. To get it to do many of the special things that Rackham requires, you'll have to do a great deal of work that Word will just do for you . A few examples:

• Rackham requires 1" margin on all pages, but a 2" margin at the top of each new section. You'll have to manually adjust every relevant page yourself in Docs to get this, but Word will just do it automatically.
• Docs gives you three choices for how your Table of Contents will look, none of which are suitable by Rackham's standards. While you can adjust the format, many aspects of it (such as spacing) will revert to the original every time you update it.  With Word, you're in charge of what your ToC looks like.
• In Docs, you'll have to manually type in your figure numbers ("Figure 3.6") and change them every time you add or move them. But Word will manage numbering and caption placement for you, it will renumber figures or tables as you add or move them, and it will create your List of Figures/Tables automatically – correct page numbers and all. 
• With Word's figure/table numbering, you can also insert cross-references, so when you refer to "(see Figure 4.2)" but then you add some new figures before that, not only will Figure 4.2 renumber itself automatically, but anywhere you've referred to it will be updated, too. No more anxiety about whether you've updated everything accurately.
• Page numbers: Rackham wants the first two pages to have no page numbers, the rest of the frontmatter to have small roman numerals, and the body of the document to have arabic numerals.  Docs just plain can't do that.

Writing Assistance

This Guide is all about how to properly format your dissertation -- how to make it look the way Rackham wants it to look. But what if you need help with the actual composition  of your content? Our friends at the Sweetland Writing Center offer such assistance, through their Writing Workshop program. From their website:

These are just a few quick but especially important tips to help you get started. See our more expansive Tips & Troubleshooting section for suggestions that are a little more complex.

• Save early , save often, and create backup versions as you go along. Consider setting up Microsoft OneDrive (you have free access with your umich login credentials). With this, you can turn on "Autosave" in Word to automatically save your document at regular intervals, and have access to previous versions.

• Use our template (available above), it will save you lots of time. Nearly all of the difficult formatting stuff we discuss in this Guide is already built into the template. Consider doing all of your writing in it -- even if you're working in separate files for each chapter, you can use a copy of the template for each one of those chapters.
• Set the margins including the two-inch margin for chapters titles  ( Setting Margins ) .
• Define styles for Headings 1-3, Normal, Captions, and Quotes – these are most common; you may need others ( Working with Styles ).
• If headings need to be numbered (for example, 1.1, 1.2, 2.1, etc.), define a multi-level list ( Automatic Numbering ).
• If captions need to include the chapter number, define a multi-level list ( Automatic Numbering ).
• Share your file(s) with your advisors using Track Changes ( Commenting and Reviewing ) .
• If you use EndNote to manage your citations and create your bibliography, use only one EndNote library for your entire dissertation (see our EndNote Basics guide).

What types of dissertations/theses can this template be used for?

The template follows the standard best-practice structure for formal academic research projects such as dissertations or theses, so it is suitable for the vast majority of degrees, particularly those within the sciences.

Some universities may have some additional requirements, but these are typically minor, with the core structure remaining the same. Therefore, it’s always a good idea to double-check your university’s requirements before you finalise your structure.

How long should my dissertation/thesis be?

This depends entirely on your university’s specific requirements, so it’s best to check with them. As a general ballpark, Masters-level projects are usually 15,000 – 20,000 words in length, while Doctoral-level projects are often in excess of 60,000 words.

Dedication, acknowledgements, & preface

Dedication, Acknowledgements, and Preface sections are all optional pages. But, what is the difference between these three?

Dedication — A personal tribute to someone or a group of people. Example: "To my parents."

Acknowledgements — A professional tribute to a person or people who helped you with the thesis. Example: "I wish to thank my thesis advisor for the hours of help in the lab making sure the experiments were set up properly and guiding me through the thesis process."

Preface ( sometimes confused with Foreward or Prologue ) — A very rarely included section that details why you are qualified to write about your topic of your thesis or why you became interested in the topic (for example, an anecdote about a childhood incident that led you to become interested in the topic). Do not confuse this with the literature review; this is more of a personal story.

Dissertation vs Thesis: The Differences that Matter

As a graduate student, you will have many different types of challenging coursework and assignments. However, the biggest project that you’ll work on when earning your master’s or doctoral degree will be your thesis or dissertation . The differences between a dissertation vs thesis are plenty. That’s because each of these pieces of writing happen at different times in one’s educational journey.

Let’s break down what a dissertation and thesis are so that you have a strong handle on what’s expected. For both a thesis and a dissertation, there is an obvious fluency and understanding of the subject one studies.

Let’s take a look at their similarities and differences.

What is a dissertation.

When you enter a doctoral program to earn a PhD, you will learn a lot about how to conduct your own research. At the culmination of your degree program, you’ll produce a dissertation.

A dissertation is a lengthy piece of written work that includes original research or expanded research on a new or existing topic. As the doctoral student, you get to choose what you want to explore and write about within your field of study.

What is a Thesis?

A thesis is also a scholarly piece of writing, but it is for those who are graduating from a master’s program. A thesis allows students to showcase their knowledge and expertise within the subject matter they have been studying.

Main Differences Between a Thesis vs. Dissertation

The biggest difference between a thesis and a dissertation is that a thesis is based on existing research.

On the other hand, a dissertation will more than likely require the doctoral student to conduct their own research and then perform analysis. The other big difference is that a thesis is for master’s students and the dissertation is for PhD students.

Structural Differences Between a Thesis and a Dissertation

Structurally, the two pieces of written analysis have many differences.

• A thesis is at least 100 pages in length
• A dissertation is 2-3x that in length
• A thesis expands upon and analyzes existing research
• A dissertation’s content is mostly attributed to the student as the author

Research Content and Oral Presentation

Once completed, some programs require students to orally present their thesis and dissertation to a panel of faculty members.

Typically, a dissertation oral presentation can take several hours. On the other hand, a thesis only takes about an hour to present and answer questions.

Let’s look at how the two scholarly works are similar and different:

Similarities:

• Each is considered a final project and required to graduate
• Both require immense understanding of the material
• Written skills are key to complete both
• Neither can be plagiarized
• Both are used to defend an argument
• Both require analytical skills
• You will have to draft, rewrite, and edit both pieces of writing
• For both, it is useful to have another person look over before submission
• Both papers are given deadlines

Differences:

• A dissertation is longer than a thesis
• A dissertation requires new research
• A dissertation requires a hypothesis that is then proven
• A thesis chooses a stance on an existing idea and defends it with analysis
• A dissertation has a longer oral presentation component

The Differences in Context: Location Matters

In the US, everything that was previously listed is how schools differentiate between a thesis and a dissertation. A thesis is performed by master’s students, and a dissertation is written by PhD candidates.

In Europe, the distinction between a thesis and dissertation becomes a little more cloudy. That’s because PhD programs may require a doctoral thesis to graduate. Then, as a part of a broader post-graduate research project, students may complete a dissertation.

Description

The mission of the International Academy for Intercultural Research (IAIR) is to promote and facilitate intercultural research in the areas of psychology, communications, education, management, and other specializations in social sciences that are related to cross cultural studies.  The Academy encourages high quality intercultural research at the doctoral level, which is conventionally the starting point in academia.  The Rae and Dr. Dan Landis Outstanding Dissertation Award is intended to recognize and honor outstanding scholarly achievement by aspiring intercultural researchers.  Support for the award is provided by the Academy.

US $1,000.00, one-year membership in IAIR and free registration at the IAIR Biennial Conference when the prize is conferred.  The winner will be asked to give a presentation of his or her research at the Conference in Philadelphia, July 2023.

Criteria for Submission and Deadlines

The main thrust of your doctoral thesis (dissertation) must be centered around intercultural studies, that is to research the dynamics and/or promote understanding and appreciation between individuals and groups from diverse communities and heritage.  It should be unique yet rigorous in its theory and method.  Doctoral theses eligible for an award must have been completed (and accepted by the awarding university) during the two calendar years ending on December 31 of the year prior to the conference year. The winner of this award will be invited to present his or her PhD findings at the next IAIR Conference in 2023.

Submissions must be received by the chair of the Review Committee (see email address below) by February 1, 2023.

What to submit

Please submit a 1500-word abstract (double-spaced, Times New Roman Font Size 12, 1-inch margins) of the doctoral thesis in English to the emails below by February 1, 2023 . The abstract must contain no information that identifies the applicant, thesis supervisor, or institution. The word-limit does not include references. The abstract must contain complete details of the theory, method, results, and implications for the field.  Submit the abstract electronically as an email attachment to the address given below using a common word processing file format such as Word, Wordperfect, or Rich Text Format. Do not send it in a .pdf file. In a  separate  file, list your contact information (title of submission, name, affiliation, physical address, phone number, fax number, email address, webpage if you have one). 

A letter from the thesis advisor certifying the university acceptance date of the thesis should be sent by your advisor, also as an email attachment, directly to the Chair of the review committee.

Following a preliminary evaluation, finalists will be asked to submit a 35-page summary description of the full doctoral thesis, in the language in which it was written to the review committee.  Should the original language be other than English, the selection committee will be augmented to include scholars who are native speakers of that language and who feel competent to evaluate the work.  The winner of the award will be invited to prepare and submit an article derived in full or in part from his/her dissertation research to be considered for publication in the  International Journal of Intercultural Relations.

Statement on Conflict of Interest

The Rae and Dan Landis Outstanding Dissertation Award aims to recognise research excellence among PhD scholars who have recently graduated, and whose research are in the field of intercultural studies, or the types of social context and group dynamics that promote understanding and between individuals and groups from diverse heritage.  This circle of research is small compared to other disciplines, and academic scholars who study this field almost always have co-published or had some interactions with other scholars on a similar topic. 

It is therefore crucial that the evaluation process for the Dissertation Award be conducted in a professional manner that is objective, fair, and transparent.  The Award is given out once every 2 years. Approximately 8-9 months prior to the IAIR Biennial conference, a Call for Award Application is put out and applicants may submit their PhD abstracts to the Academy for considerations (refer to “Rae and Dan Landis Outstanding Dissertation Award Application” on the protocols). 

Dissertation Award Committee members are required to evaluate all submissions in a manner that is professional and honourable.

Prior to the evaluation, all committee members must declare a Conflict of Interests (COI), if (i) they know of any applicant personally, and (ii) whether they had previously or are currently working jointly on any research projects and/or publications.  The statement will not disqualify a committee member affected by (i) and/or (ii).  Instead, the objective of this declaration is to hold individual committee member accountable for their judgement, such that it is unbiased and visible to all.

The disclosure on COI must be made to the Chair after the abstracts are circulated to the committee members, but before the evaluation commences. The Chair may require an Award committee member to recuse from evaluating an applicant’s submission if there is a compelling reason for doing so, for instance, the applicant’s dissertation is supervised by a committee member. In this instance, an independent, external reviewer will be appointed to assist in the evaluation of the abstract affected by the COI. 

The Award committee member who has a COI shall evaluate all submissions except the applicant’s whose abstract is affected by a COI.  This Award committee member shall provide to the Chair, details of his or her assessments and benchmarks used in evaluating all abstracts, and these documentations shall enable the appointed external reviewer to make an informed judgment on where the COI-affected abstract stands vis-à-vis the rest of the submissions.

In addition, given the Executive Council is required by the by-laws to approve the designee(s) of this award, there exists the potential for a conflict of interest.  In the event that a member of the Executive Council has a conflict of interest, then they must declare that conflict of interest and abstain from the approval vote by the Executive Council. This condition would also apply to the Award committee members if they also happen to be members of the Executive Council.

The process and declaration on Conflict of Interests is a transparent one.  It will not disadvantage any Award committee member who may have deserving graduate students eligible for the award but at the same time, it will hold the Award Committee and the Chair accountable for their decisions, and to uphold integrity, impartiality and transparency.

 Wybren Nooitgedagt Utrecht University Dissertation titled: Whose land is it?: Perceived ownership and territorial compensation in settler societies

Wybren Nooitgedagt is a postdoctoral researcher at Erasmus University in Rotterdam. After completing his bachelor’s degree in Cultural Anthropology and Development Sociology (Leiden University), he obtained his research master’s degree in Migration Ethnic Relations and Multiculturalism (Utrecht University) cum laude. In September 2017, he started working as a Ph.D. candidate at the European Research Centre on Migration and Ethnic Relations (Utrecht University), and the Interuniversity Center for Social Science Theory and Methodology under the supervision of Dr. Borja Martinović and Prof. dr. Maykel Verkuyten. In 2019 he was a visiting scholar for two months at the Society and Health Research Center of the Universidad Mayor in Chile under the supervision of Dr. Ana Figueiredo. His dissertation (Whose land is it?) is about perceived ownership and support for territorial compensation in settler societies. He examined three aspects of perceived territorial ownership: who is seen as the owner, why is that group seen as the owner, and what are the implications of perceived ownership? He currently works as a postdoctoral researcher with Dr. Jaco Dagevos, studying socioeconomic and sociocultural integration processes among Syrian refugees in the Netherlands.
