A job application letter, also known as a cover letter , should be sent or uploaded with your resume when applying for jobs. While your resume offers a history of your work experience and an outline of your skills and accomplishments, the job application letter you send to an employer explains why you are qualified for the position and should be selected for an interview.

Writing this letter can seem like a challenging task. However, if you take it one step at a time, you'll soon be an expert at writing application letters to send with your resume.

Writing a job application letter is very different from a quick email to a friend or a thank-you note to a relative. Hiring managers and potential interviewers have certain expectations when it comes to the letter's presentation and appearance, from length (no more than a page) and font size to style and letter spacing . Keep these general guidelines in mind, but always stick to any explicit instructions in the job listing or application portal.

Length: A letter of application should be no more than one page long. Three to four paragraphs are typical.

Format and Page Margins: A letter of application should be single-spaced with a space between each paragraph. Use 1-inch margins and align your text to the left, which is the standard alignment for most documents.

Font: Use a traditional font such as Times New Roman, Arial, or Calibri. The font size should be between 10 and 12 points.

There are also set rules for the sections included in the letter, from salutation to sign-off, and how the letter is organized. Here's a quick overview of the main sections included in a job application letter:

Heading: A job application letter should begin with both your and the employer's contact information (name, address, phone number, email), followed by the date. If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature.

The third and last part of the body of the letter will be your thank you to the employer; you can also offer follow-up information.

Complimentary Close: Sign off your email or letter with a polite close, such as "Best," or "Sincerely," followed by your name.

Signature: When you're sending or uploading a printed letter, end with your handwritten signature, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.

  • Use business letter format. Use a formal business letter format when writing your letter. Include your contact information at the top, the date, and the employer’s contact information. Be sure to provide a salutation at the beginning and your signature at the end.
  • Sell yourself. Throughout the letter, focus on how you would benefit the company. Provide specific examples of times when you demonstrated skills or abilities that would be useful for the job, especially those listed in the job posting or description. If possible, include examples of times when you added value to a company.

Numerical values offer concrete evidence of your skills and accomplishments.

  • Use keywords. Reread the job listing, taking note of any keywords (such as skills or abilities that are emphasized in the listing). Try to include some of those words in your cover letter. This will help the employer see that you are a strong fit for the job.
  • Keep it brief. Keep your letter under a page long, with no more than about four paragraphs. An employer is more likely to read a concise letter.

While it might seem daunting, there’s a process to creating an outstanding application letter. It starts with researching the company and tailoring your letter, and ends with editing and formatting your application in a polished and easy-to-read way. 

In this guide, we show you how to write an application letter that highlights your strengths and qualifications in a way that presents you as a great match for the job. 

Why is a cover letter important?

When you’re job seeking, a compelling application letter is a must. An application letter, also known as a cover letter, serves as your professional introduction to potential employers. It’s your chance to demonstrate your qualifications, skills and excitement for the job.

While your resumé provides a snapshot of your work history and achievements, application letters let you expand on your experiences. They provide an opportunity to highlight specific accomplishments, express your motivation, and explain why you’d be the right fit for the job.

What to write in an application letter

The key to a great application letter is in making it complement your resumé. Unlike a resumé, which focuses solely on presenting facts and details, an application letter adds a personal touch to your job application. It lets you tell your professional story, showcase your personality and convey your passion for the industry and the organisation you’re applying at.

The typical application letter consists of several key components. It begins with a traditional letter header, followed by a greeting addressed to the hiring manager or relevant contact. Then there’s the body of the letter, which should be one to three paragraphs long, each addressing different job criteria. After that, there’s a conclusion and a valediction (your sign-off).

You don’t need to do a deep dive into every company you’re applying at, but it does help to have some background knowledge – otherwise, how will you know you want to work there? This includes understanding the type of organisation it is and what your job requirements are likely to be. You might also get a feel for the company culture.

Use the information you’ve gathered to draft a persuasive letter  that shows how your qualifications match with the company’s needs, goals and culture. Highlight any specific experiences, achievements or skills that illustrate why you’d be right for the role.

Formatting a cover letter

When it comes to formatting your application letter, the goal is to make it easy to read. Aim for a simple format that’s clean and uncluttered. Choose a clear and legible font such as Arial, Calibri or Times New Roman – or the same font you used on your resumé . Stick to a font size between 10 and 12 points to ensure readability.

Remember to keep your letter concise, aiming for no more than one page. Use clear, everyday English, avoiding overly technical terms or jargon. And of course, proofread your letter carefully when you’re done, to catch any typos or errors.

The opening paragraph

At the top-left of the page, begin with your contact information, including your name, location, phone number and email address. Include the date on the line below.

Next, address the letter to the hiring manager or the appropriate recipient, using a formal greeting such as Dear [Hiring Manager's Name] . If you can’t find the hiring manager's name, you can use a more general term like To whom it may concern .

In the first sentence, clearly state the specific job title and company. This goes at the top so that the recruiter or hiring manager knows immediately what the letter is about.

The body of the letter: Experience, skills and qualifications

The middle of your cover letter should consist of two or three concise paragraphs. Here is where you elaborate on your skills and qualifications, emphasising your achievements and how they align with the requirements of the job.

Think about specific instances where your strengths and skills made an impact at work, providing quantifiable results if you can. For example, you could talk about projects you worked on or goals you met, mentioning real figures if you have them.

With every skill or experience you mention, make sure you connect them to the role’s requirements. Reference key aspects of the job description in your letter. Got no relevant experience? Focus on extracurricular activities and education. 

Lastly, consider highlighting any certifications, awards or professional development courses you’ve completed. These achievements can further enhance your application and show that you’re committed to continuous learning and professional growth.

Above all, be honest about your qualifications. Avoid exaggerating or stretching the truth. If there are areas where you're lacking, acknowledge them and express your willingness to learn and grow.

Use the third paragraph to either mention more skills or experience (if you are applying for a more senior position) or to highlight what interests you about the company and how your passions and aspirations align with the company’s mission and values.

The closing paragraph of your cover letter

The fourth paragraph of your application letter is your conclusion. Here you can give a brief recap of your skills and reaffirm your enthusiasm for the job. You can also include a call to action, like inviting the employer to schedule an interview or visit your online portfolio.

In your conclusion you might also mention any follow-up actions you plan to take. For instance, you might say you’ll be following up with an email within a few weeks. End your letter with a traditional closing sign-off, such as Sincerely or Best regards .

Your closing paragraph should be concise and impactful, without repeating anything information from the middle paragraphs.

Editing and proofreading an application letter.

Before you send your application, proofread it closely to make sure it’s error-free. Typos or grammatical slip ups can look unprofessional and detract from your application, so it’s worth the extra effort to give your letter a once-over.

  • Tailor your application letter to the job, every time . Create your application letter specifically for the job and company you’re applying to. This means writing a slightly different one, every time. Show how your skills, experience and career aspirations are a good match for the company's needs and goals. Make extra sure you’re sending the right application letter to the right company. 
  • Keep your letter clear and concise. An application letter should be straight to the point and easy to read. Aim for a one-page letter, unless otherwise specified in the job posting. Avoid unnecessary details and focus on the most relevant information to the job ad. Writing a good cover letter shows you have solid written communication skills.
  • Use action verbs and descriptive language. Enhance your application letter by using strong action verbs, for example: instead of I was responsible for a team , write something like, I led a team of 10 high-performing staff .
  • Show thanks and follow up.  After submitting your application, if you haven’t heard back after two weeks, send a follow-up email to the hiring manager. Reiterate your enthusiasm for the position. Use this opportunity to provide additional information or clarify any points in your application.
  • Keep track of your applications. Have a system for keeping track of each application, noting the date you applied, the job title and company, and any notes or communication you’ve had. Mark them up on a calendar or put them into a spreadsheet. This will help you stay on top of your applications and avoid missing any emails that may have fallen through the cracks. Once you’ve written your application letter, you can refine it even more by applying these dos and don’ts. 

  • Do add a personal touch . Giving your cover letter a personal touch can make it stand out to potential employers. If their website language is very formal, you should mirror that in your cover letter. If their tone of voice is more relaxed, you can take a warmer, more informal tone. Always maintain a professional tone – don’t be too laidback or colloquial.
  • Do take out anything that’s irrelevant.  Is there information in your cover letter that isn’t really related to the job? Consider removing it. Avoid unnecessary details and focus on delivering the most important information only.
  • Do proofread carefully . Having a perfectly edited letter means you have good attention to detail. Run your letter through spell-check and read it aloud to someone, to make sure it flows logically. Get feedback from a mentor or former teacher.
  • Don’t use generic templates without tailoring them . The hiring manager will know if you’ve used a generic application letter. A template is a good starting point, but you need to tailor it to each job opportunity.
  • Don’t exaggerate or misrepresent your qualifications.  Be honest and transparent about your skills and qualifications. Exaggerating or misrepresenting your abilities will likely backfire. An employer will be able to tell if you don’t have the knowledge and abilities you claim to have. 
Example of an honest representation:  I have basic experience with XYZ software, and I'm eager to improve on these skills. In my previous roles, I’ve been able to master new programs quickly.  
Example of an exaggeration:  I have intermediate knowledge of XYZ Analytics software having used this tool in my previous roles.
  • Don’t use industry jargon.  While it’s important to express your knowledge of the industry, avoid using jargon or buzzwords, for example, terms like ROI, strategic initiatives, go-getter, etc. Also consider avoiding technical terms that may not be familiar to the reader.
  • Don’t neglect to follow up. After submitting your application letter, send a follow-up email. Even if you don’t hear back from the employer, you’ll know you made every effort to get your application seen. A negative response from them will also allow you to close that application on your tracker.

“Yours sincerely” or “Yours faithfully”?

It is a letter, written formally, to request something from a person in a concerned position and seek their permission. This formal letter is referred to as an application letter, and the process of writing an application is known as application writing or application letter writing. An application can be written for leave, an extension of a project deadline, a position, etc.

Types of Applications

  • Job Application Letter: It is written to request a job opening in an organization. It is sent to the email address of the organization, and the HR department of the company, or it is submitted offline to the organization by visiting them.
  • Academic Application Letter: It is written for academic purposes when a request regarding leaves, scholarships, fees, activities, etc. is to be made. Any formal request to be made within an academic institution by a student is an academic application letter.
  •  Personal Application Letter: An application letter written for personal work such as asking for a loan, travel grant, visa, passport, or any such individualistic request is called a personal application letter.

Steps for Writing an Application

An application letter can be written using the below-mentioned steps. Using this procedure will assist you in writing an application letter in a fast-paced and proficient manner. In just 10 easy steps, you can write a perfect application letter. Have a look at the steps below:

Step 1: Know your objective for writing the application. An application letter should only be written with a set objective in mind.

Step 2: Planning Any form of letter-writing requires planning. A planned letter always includes important topics, is drafted concisely, and ignores irrelevant stuff in an application.

Step 3: Begin with the date. The first thing that goes into an application is the date on which it is written and submitted.

There are 7 IELTS letter topics that come up regularly in General Writing Task 1. They are:

  • A letter of complaint
  • A letter of explanation

Formal & Informal Letters

There are also two different types of letter that you could be asked to write.

  • A formal letter
  • An informal letter

You must learn how to decide what type of letter the question requires you to write because you will need to use different language to create a different tone for each style of letter.

It’s very simple to tell the difference between them. Follow this rule:

  • If the question includes the word ‘friend’, use  informal  language.
  • If the question  does not  include the word ‘friend’, use  formal  language.

The only exception is if the letter is to a close family member when you would also use an informal tone, but these are not common.

So, you should write a  formal  letter to someone you don’t know or don’t know well and an  informal  letter to a friend or close family member.

Formal & Informal IELTS Letter Topics

Of the 7 different IELTS letter topics, some are more common for formal letters, others for informal letters. I’ve highlighted the most common in red in the two lists below.

Sample Questions   –  Common IELTS Letter Topics  – 

To help you recognise the different IELTS letter topics, we’ll now look at some typical questions.

Often, a question will include elements of more than one topic. In the question below, for example, the letter is a request for a student to change courses but you would also need appropriate language for complaining about the original course.

You are not happy with the course you are doing at college and would like to change to a different course.

Write a letter to the college director requesting to change your course. You should include details about:

  • what course are you doing now
  • why you are not satisfied with that course
  • what course you would like to change to.

For this next question, on the other hand, you have to explain something and also make an invitation.

You have recently moved to a new apartment.

Write a letter to a friend. In your letter:

  • explain why you have moved
  • describe your new apartment
  • invite him/her to pay a visit

The point I'm making is that you shouldn’t waste time stressing about the specific IELTS letter topic. Use the topic types as a guideline to help you chose phrases to use but most of all, make sure that you address each bullet point using appropriate language.

Here are some sample questions for the IELTS letter topics listed above.

You want to learn a language. There is a teacher near to where you live.

Write a letter to the teacher. In the letter:

  • say how you came to know about him/her
  • explain why you want to learn
  • ask what help they can offer.

You are going to visit the town where your friend went to university.

Write a letter to your friend. In your letter:

  • explain why you will be visiting the town
  • give details of where you will be staying
  • ask your friend to recommend some evening entertainment.
  • Letter of Complaint

You live in a room in college which you share with another student. There are many problems with this arrangement and you find it difficult to work.

Write a letter to the accommodation officer at the college. In the letter:

  • describe the situation
  • explain the problems and why is it difficult to work
  • say how you would like the situation resolved.

There is a problem with the changing rooms in the sports centre that you visit. You have complained several times but with no success.

Write a letter to the manager of the sports centre. In your letter:

  • describe what the problem with the changing rooms is
  • say what happened the last times you complained
  • explain what you want the manager to do.

Your neighbour has written to you to complain about the noise from your flat.

Write a letter to your neighbour. In your letter

  • explain the reason for the noise
  • offer your neighbour an apology
  • tell them what action you will take.

You have just missed a friend’s party.

Write a letter to apologise. In your letter:

  • apologise to your friend
  • explain why you did not attend the party
  • say what you plan to do to make up for missing the party.

A Letter of Explanation

A family member is coming to stay with you. He/she will be arriving by train in the morning, but you won’t be home until the evening.

Write a letter to your relative. In your letter:

  • explain arrangements you have made for them to have keys and get into the house
  • tell your relative how to get from the train station to your house
  • say when you will be home and suggest what you could do together that evening.

You are planning a holiday abroad and will be visiting a town where an old friend lives. You haven't spoken to this friend in a few years.

Write a letter to your friend. In your letter,

  • give your friend a brief update of your life since you were last in touch
  • explain why you will be travelling to his/her town.
  • say what you plan to do when you visit their town.

An Application or Resignation Letter

You would like a job working in the summer camp which runs sports and outdoor activities for children and young people.

Write a letter to the organisers of the summer camp. In your letter:

  • describe your personality
  • say what relevant experience and skills you have
  • explain what sort of work you would like to do.

You have decided to leave your current employment.

Write a letter to your employer. In the letter:

  • explain why you are writing
  • explain why you have decided to leave the company
  • tell your employer what you plan to do after leaving your present employment.
  • An Invitation

You are organising a seminar for your company.

Write a letter to the manager of another department inviting them to give a presentation at the seminar. In your letter:

  • give details of the seminar
  • invite them to give a presentation and say why you are inviting them
  • say what the presentation should be about.

You are organizing a family party.

Write a letter to your friend inviting him/her to   attend the party .  In your letter:

  • explain why you are organising the party
  • describe what you are planning to do
  • say why you want your friend to come to the party.

A Letter to Make an Arrangement

You want to book a hotel recommended to you for a family holiday at the seaside.

Write a letter to the hotel manager to make arrangements. In the letter:

  • explain what accommodation you require and when you want to stay
  • ask what will be included in the price
  • enquire about activities and places of interest near the hotel.

You and your friend have booked tickets to go to the theatre. You are now unable to go but have found another friend to accompany him/her instead.

Write a letter to your friend. In the letter:

  • explain why you can no longer go to the theatre with your friend
  • say who is able to go instead of you
  • tell them why you think this person would be good to go with.

A colleague lent you a book that helped you to prepare for a presentation at work.

Write a letter to your colleague thanking them. In the letter:

  • thank your colleague for lending you the book
  • explain how the book helped you
  • tell them how the presentation went.

Last month you had a foreign holiday where you stayed with some friends. They have just sent you some photos of your holiday.

Write a letter to your friends. In your letter:

  • explain why you didn’t write earlier
  • thank them for the photos and for the holiday
  • describe your favourite memory from the holiday.

A Letter Making a Suggestion or Recommendation

A local newspaper is organising an award ceremony for local people who make a significant contribution to the community.

Write a letter to the editor to recommend someone you know for an award.  In your letter:

  • say who the person is
  • describe something they have done to benefit the local community
  • explain why you think they deserve to be given an award.

Your friend has written a letter to you asking for advice regarding a visit that his/her parents will be making to your area in the near future.

  • recommend a place where they can stay
  • suggest the places they can visit
  • offer to do something with them.
