How to Structure your Presentation, with Examples

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

Good presentation structure is important for a presentation

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

The formal presentation of information is divided into two broad categories: Presentation Skills and Personal Presentation .

These two aspects are interwoven and can be described as the preparation, presentation and practice of verbal and non-verbal communication. 

This article describes what a presentation is and defines some of the key terms associated with presentation skills.

Many people feel terrified when asked to make their first public talk.  Some of these initial fears can be reduced by good preparation that also lays the groundwork for making an effective presentation.

A Presentation Is...

A presentation is a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team.

A presentation can also be used as a broad term that encompasses other ‘speaking engagements’ such as making a speech at a wedding, or getting a point across in a video conference.

To be effective, step-by-step preparation and the method and means of presenting the information should be carefully considered. 

A presentation requires you to get a message across to the listeners and will often contain a ' persuasive ' element. It may, for example, be a talk about the positive work of your organisation, what you could offer an employer, or why you should receive additional funding for a project.

The Key Elements of a Presentation

Making a presentation is a way of communicating your thoughts and ideas to an audience and many of our articles on communication are also relevant here, see: What is Communication? for more.

Consider the following key components of a presentation:

Ask yourself the following questions to develop a full understanding of the context of the presentation.

When and where will you deliver your presentation?

There is a world of difference between a small room with natural light and an informal setting, and a huge lecture room, lit with stage lights. The two require quite different presentations, and different techniques.

Will it be in a setting you are familiar with, or somewhere new?

If somewhere new, it would be worth trying to visit it in advance, or at least arriving early, to familiarise yourself with the room.

Will the presentation be within a formal or less formal setting?

A work setting will, more or less by definition, be more formal, but there are also various degrees of formality within that.

Will the presentation be to a small group or a large crowd?

Are you already familiar with the audience?

With a new audience, you will have to build rapport quickly and effectively, to get them on your side.

What equipment and technology will be available to you, and what will you be expected to use?

In particular, you will need to ask about microphones and whether you will be expected to stand in one place, or move around.

What is the audience expecting to learn from you and your presentation?

Check how you will be ‘billed’ to give you clues as to what information needs to be included in your presentation.

The role of the presenter is to communicate with the audience and control the presentation.

Remember, though, that this may also include handing over the control to your audience, especially if you want some kind of interaction.

The audience receives the presenter’s message(s).

However, this reception will be filtered through and affected by such things as the listener’s own experience, knowledge and personal sense of values.

The message or messages are delivered by the presenter to the audience.

The message is delivered not just by the spoken word ( verbal communication ) but can be augmented by techniques such as voice projection, body language, gestures, eye contact ( non-verbal communication ), and visual aids.

The message will also be affected by the audience’s expectations. For example, if you have been billed as speaking on one particular topic, and you choose to speak on another, the audience is unlikely to take your message on board even if you present very well . They will judge your presentation a failure, because you have not met their expectations.

The audience’s reaction and therefore the success of the presentation will largely depend upon whether you, as presenter, effectively communicated your message, and whether it met their expectations.

As a presenter, you don’t control the audience’s expectations. What you can do is find out what they have been told about you by the conference organisers, and what they are expecting to hear. Only if you know that can you be confident of delivering something that will meet expectations.

How will the presentation be delivered?

Presentations are usually delivered direct to an audience.  However, there may be occasions where they are delivered from a distance over the Internet using video conferencing systems, such as Skype.

It is also important to remember that if your talk is recorded and posted on the internet, then people may be able to access it for several years. This will mean that your contemporaneous references should be kept to a minimum.

Impediments

Many factors can influence the effectiveness of how your message is communicated to the audience.

For example background noise or other distractions, an overly warm or cool room, or the time of day and state of audience alertness can all influence your audience’s level of concentration.

As presenter, you have to be prepared to cope with any such problems and try to keep your audience focussed on your message.

We always need context. In an Irish cinema, a feature presentation is the main film. There will be trailers for forthcoming films, commercials, and maybe some short presentations also.

Prezi is a web-based tool for creating presentations (called prezis for short). It's similar to other presentation software like Microsoft PowerPoint, but it offers some unique features that make it a good alternative. In recent years, it has become popular in schools and businesses. If you're looking to create a presentation that's a bit more eye-catching and engaging, Prezi may be for you.

How does a prezi work?

Most types of presentation software use a slide-based approach, where you move back and forth between individual slides, kind of like pages in a book. Prezi, however, uses a canvas-based approach. Instead of using slides, Prezi has one very large canvas that your presentation moves around on, zooming in and out to view various frames .

This concept is much easier to describe with a visual aid, so we've embedded a sample prezi below. Simply select Start Prezi , then use the arrows at the bottom to navigate through the presentation.

Why use Prezi?

You might be wondering what makes Prezi different from other presentation software, like PowerPoint or Keynote . For one thing, Prezi is completely free to use. There are upgrades you can pay for to unlock additional features, but everything you need to create and share a dynamic prezi is available free of cost.

Another great reason to use Prezi is that it is run entirely through your web browser, meaning there will be fewer compatibility issues than with other programs like PowerPoint. Your prezi will always look the same , no matter what computer you're viewing it on.

Because of its unique presentation style, Prezi can use movement and metaphor to help communicate a point you're trying to make. If you want your audience to really feel a sense of space and distance between locations, you could use a map template , like in the prezi below.

Or maybe you want to illustrate how there's more to a certain topic or viewpoint than there appears to be. In this case, perhaps an iceberg template would be more effective.

  • Conclusion : It needs to be short and precise. It should sum up or outline the key points that you have presented. It could also contain what the audience should have gained out of the presentation.

  • To inform : Organizations can use presentations to inform the audience about new schemes, products or proposals. The aim is to inform the new entrant about the policies and procedures of the organization.
  • To persuade : Presentations are also given to persuade the audience to take the intended action.
  • To build goodwill : They can also help in building a good reputation

Opportunity Knocks

Every so often we have the opportunity to complete our Feature Presentation at our BNI chapter meeting. This is a golden opportunity to tell the chapter much more about ourselves and our business than we can in our weekly presentations. Often the information presented allows the “penny to drop” about what we do and can help referrals flow.

Because the Feature Presentation comes around infrequently and can make such a difference to our visibility and credibility we are going to look at the steps a member can take before, during and after their Feature Presentation to make the most of it.

Prior to your Feature Presentation

4 weeks before – Use your weekly presentation to let members know that you are speaking in 4 weeks’ time. Ask for ideas for what members would like to hear about. Follow up the request with an email they can reply to with ideas.

2 weeks before – Use your weekly presentation to mention that your Feature Presentation is in 2 weeks’ time and advise what you will be talking about. Ask members to invite suitable visitors to hear your presentation. An example of this would be to invite landlords to the Feature Presentation by the Property Manager.

1 week before – Prepare and practise your presentation. Be ready to step in should the speaker due to present the week before you have to reschedule. Prepare your speaker’s bio – To give to the Education Co-Ordinator to introduce you. Include different information in your Bio that is not already going to be mentioned in your presentation. Organise your door prize – Choose something that gives the winner an experience of your business rather than a lunch or a bottle of wine (unless you sell wine).

The Presentation

The golden rule of presentations is telling them what you are going to tell them, use this to create curiosity, and then at the end tell them what you told them by summarising.

If it is your first presentation, about 1/3 of the presentation should be about you personally: your achievements, previous experience, or careers and a little about your family.

After that, open with your “why”. Why you do what you do, beyond just for the money. Telling your story, can help calm your nerves.

Next talk about your bread and butter products or services. The problems you help with and how you solve them, with one or two case studies, these lead to the specific referral requests at the end of your presentation.

Practising your presentation in front of someone will make sure you get the timing right and help develop your confidence.

In general, avoid death by PowerPoint, use 5-6 slides maximum. Graphics and images are better than words, try not to read from your slides, use bullet point reminders.

And remember “unplugged” presentations can be very powerful. Think outside the square and engage the audience with questions, quizzes, prizes.

Remember your door prize. Be especially early the morning of your presentation and check the technology works, especially if you are using video. Bring a printed copy of your presentation if you are using PowerPoint in case the technology fails completely. Use your weekly presentation to announce that you are the feature presenter today and briefly cover what you will be talking about rather than a standard weekly presentation. If you want to answer questions, make sure you leave time for those. Your presentation time includes time for questions, there is not additional time for questions.

Post Presentation

Email the chapter thanking them for their time. Remind them of the referrals you are looking for and attach a copy of your presentation if appropriate.

Your feature presentation is a golden opportunity to increase the members’ understanding of you and your business. Prior preparation and practise will help you to make the most of the opportunity.

Y ou may have heard the term “feature film” or even simply “feature” whenever the topic of movies comes up. But what is a feature film and how does it differ from other types of film? Features make up the larger library of motion pictures that movie-goers are familiar with. While they may differ in genre, stories, and even format, features share similar characteristics.

What is a Feature Film 

First, let’s define feature film.

To better understand the feature film meaning, let’s take a look at the feature film definition. This is important to differentiate features from other types of motion pictures.

What is a feature film.

A feature film is a film that typically has a run time between 80 minutes and 180 minutes long. This distinction, however, can depend on who you ask. The Screen Actors Guild defines a feature as a minimum of 80 minutes whereas The Academy defines a feature as a minimum of 40 minutes. The distinctions are primarily used to separate films into the category of a short film or a feature film. Films screened in commercial movie theatres are typically features that run over 80 minutes.

What are feature films and what is their place in the history of cinema? The history of motion pictures and evolution of features is dense and complex. Motion pictures evolved into storytelling features largely due to their ability to make money. 

The demand for stories told through motion pictures grew and soon studios formed to create as many motion pictures as possible to generate revenue. 

These motion pictures screened in theaters started off with shorter lengths. However they eventually evolved into what we now know as feature films. A few longer motion pictures convinced studios that there was a demand for longer, feature length films and thus more features were created.

To recap, one of the pioneers and biggest influences on the narrative elements of features is D.W. Griffith. While deeply racist and a proponent of hate, his film Birth of a Nation created a scope and scale that paved the way for a larger demand for features. 

As demand for features grew, so did technology. New technology impacted not only the creation of films, but the distribution as well. Studios grew and more features were being created year after year. 

When sound was introduced to cinema in The Jazz Singer (1927) and later color, demand for features grew exponentially. The multibillion dollar film industry we have today is a result of the evolution and demand for features.

What are Feature Films

Feature films vs. short films.

Not every film that filmmakers make is considered to be a feature. Films that fall under 80 minutes (or under 40 minutes to The Academy) or categorized as short films. What is a feature film versus a short film? There are a few key distinctions between features and shorts.

The first and most obvious difference is run time. How long is a feature film run time? As we’ve clarified earlier, features typically have a run time of at least 80 minutes. Short films, however, can be as short as only a few minutes and as long as 40 minutes. The difference in run time further creates numerous differences between shorts and features such as structure.

Most features follow a traditional three act structure that unfolds over the course of at least 80 minutes. What are feature films structures defined by?

Because short films have less time to tell a story, they typically utilize a different structure that focuses more on rising action and climax rather than exposition and denouement . 

3. Characters

The length of features allow filmmakers to introduce more characters. They also allow characters to have full character arcs and allow the audience to connect more deeply to them.

Shorts typically only allow an audience to see a snippet of a character and their life. Shorts lack exposition that tell us who this character is. Shorts also must focus on less characters to be more effective. 

While it is an obvious difference it is worth noting that a major reason why filmmakers even shoot short films is because they cost a lot less. For this reason, short films are often used as a proof of concept that generates interest and hopefully further investment for a full feature.

How to Narrate a PowerPoint Presentation (Step-by-Step)

In this article you’ll learn how to narrate a PowerPoint, with either just your voice or using the new video narration feature.

Firstly, there are two different tools you can use to narrate your PowerPoint slides.

#1: Record Audio  is the legacy PowerPoint narration tool. Although this tool doesn’t have as many features, it is faster to open and use, and is handy if you want to drop a voice note on a slide.

Features of this tool include:

  • Voice narration only
  • Adds narration to one slide at a time only

#2: Record Slide Show  is the NEWEST (and best) narration tool in PowerPoint, giving you two different types of narration options plus a variety of other options.

The features here are:

  • Voice narration
  • Video narration (so your audience can also see your face)
  • Allows you to narrate an entire presentation in one sitting
  • Automatically sets slide timings for you if you later want to convert PowerPoint into a video

And before you get lost in either tool, let’s cover a few things which will help you out (trust me).

In PowerPoint, narration simply means recording your presentation as you walk someone through it, so that you can easily share the whole thing with someone else.

On top of that, if you get creative, you can use your narrated PowerPoint files to:

  • Share your presentation with team members around the world
  • Create a library of best practices for your company
  • Build training materials for new hires

1. You don’t need fancy recording equipment

Don’t let fancy equipment or a professional recording studio hold you back from narrating your presentation. For most situations, using the built-in microphone on your personal computer is enough.

For example, if you are doing something relatively informal, such as walking a colleague through something in PowerPoint, the quality of your audio doesn’t need to be extremely high.

If you are creating training materials or giving an important presentation, I recommend getting a decent USB microphone (you can see a list of top rated microphones  here ).

That’s because they will help remove any background noise.

2. Find a quiet space and tell people you are recording

Regardless of the quality of your microphone, I recommend finding the quietest place possible to record your narration and let everyone know not to bother you.

When evaluating a quiet place, here are some things to be careful of and to spot check:

  • Noisy air conditioners or refrigerators
  • Street noise (cars, planes or pedestrians)
  • Loud background office or cafe noise
  • Cell phones, doorbells or other pinging noises
  • Your kids playing in the background

For instance – imagine you are in the middle of narrating your presentation. All of a sudden a colleague knocks on your door or the doorbell rings, and you’re interrupted. It’s not the end of the world, but it will throw you off and likely annoy you.

In addition, if there is too much background noise (like a running air conditioner), the noise can be very distracting to whoever is watching the recording.

3. Check your microphone

The last thing you want to do is walk through your entire presentation, and then discover that your microphone wasn’t working.

Therefore, before narrating your PowerPoint, I recommend double-checking your recording equipment every time before you hit record. This includes ensuring that your equipment is properly plugged in (it happens).

  • Right-click  the speaker icon in the task bar (lower right-hand corner of your desktop)
  • Select  Open Sound settings
  • Choose your  Input  device
  • Click on  Troubleshoot  under  T est and troubleshoot

Note:  If you don’t see the audio bar filling up with color as you talk, that means that your input device is either not selected or not properly connected.

  • Connect all your audio and video equipment to your computer
  • Restart your computer: Start, Power, Restart

#1. Record audio (audio narration only)

While this is the legacy narration tool in PowerPoint, I want to cover it first.

That’s because even if you decide not to use it to narrate your PowerPoint presentation, it is extremely useful for dropping voice notes on your slides.

When used this way, you can quickly capture your thoughts and ideas about a slide without having to get bogged down editing or building it out on the spot.

Below I’ve detailed how to use this tool to narrate PowerPoint slides.

1. Open the Record Sound dialog box

To open the  Record Sound  dialog box, simply:

  • Navigate to the  Insert  tab
  • Open the  Audio  drop down
  • Select  Record Audio

Keep in mind that you can only narrate one slide at a time using this tool. Hence why it’s great for dropping voice notes on a slide, one by one.

2. Record your audio narration

Inside the  Record Sound  dialog box you can narrate your PowerPoint slide. Simply:

  • Type in a  Name  for your Audio Clip
  • Select the  Record  button (the red dot) to begin narrating
  • Click  Stop  (the square) to stop your narration
  • Hit  Play  (the triangle) to listen to your narration
  • Click  OK  to save the narration to your slide

As a result, you will see a little audio object added to your slide that you can move around and resize if you like.

The audio file can also be played (simply click on the play icon) in both the  Normal View  and  Slide Show View  of your presentation.

In this way, you can work your way through your presentation, adding voice notes to your PowerPoint slides that you or your colleagues can play back from within your presentation.

3. Playing your PowerPoint narration

By default, your audio file will be set to play  In Click Sequence  (explained below).

That means it will be added at the end of any animation sequences, trigger actions, etc.. If you don’t have any of these on your slide, it will automatically play when you to to advance to the next slide.

All you need to do is advance your slide (click, hit the space bar or arrow keys, etc.) and it will play.

To change when your audio file plays, simply:

  • Select your  Audio  file
  • Navigate to the  Playback  tab
  • Open the  Start  drop down
  • Choose either  In Click Sequence ,  Automatically  or  When Click On

In Click Sequence  means that your audio file plays as part of the click sequence of actions that happen on your slide. This includes animated sequences, trigger actions, and videos, all of which you can set in the Animations Pane.

If you do not have any sequences set up on your slide, your audio file will play right before you advance to the next slide in your presentation.

Automatically  means your audio file plays as soon as you get to that slide in your presentation, instead of playing right before you advance to the next slide.

When Clicked On  means your audio file will only play if someone clicks on it during the presentation in Slide Show mode. For example, you can use this option for a piece of audio that you may not have the time to play, allowing you to choose in the moment whether to play it or not.

4. Delete or overwrite a previous narration file

To delete an audio file narration, simply select the object on your slide and hit  Delete  on your keyboard.

If you want to overwrite or change an existing narration, simply use the  Record Audio  dialog box again (as described above). Doing so will overwrite the existing audio file on your slide.

Warning:  Two narration audio files cannot exist on a slide at the same time. That means that if you narrate a PowerPoint slide a second time, the first recorded file will be overwritten.

To be clear, that means you will need to start over – from scratch – for the individual slide where you want to change the narration.

While you can trim an audio file in PowerPoint, you cannot split apart or merge different audio files like you could if you used dedicated audio editing software.

#2. Record Slide Show (audio + video narration)

The  Record Slide Show  command is the NEWEST and BEST way to narrate a PowerPoint presentation for a few reasons, including:

  • Record both audio and/or video narrations
  • Narrate your entire presentation in one sitting (you are not limited to creating slide-by-slide narrations)
  • You can use the pen, highlighter and laser pointer commands and have them captured in your narration too
  • The tool allows you to pause and restart your recording
  • All your slide timings are automatically recorded, allowing you to use them to turn your PowerPoint presentation into a video (see how to do that  here )

In short, unless you have a really good reason not to use the  Record Slide Show  command to narrate your presentation, this is what you should be using.

As you will see below, there are a lot more settings you can toggle on and off, but don’t let this stop your from recording your presentation.

1.  Open the Record Slide Show dialog box

To open the  Record Slide Show  dialog box, simply:

  • Navigate to the  Slide Show  tab
  • Open the  Record Slide Show  command
  • Choose  Record from Beginning

If you simply click the  Record Slide Show  command in the Ribbon (instead of opening up the drop down) it will begin recording from the current slide.

Wait a couple of seconds, and the  Record Slide Show  commands will load, and you can start narrating your presentation.

2. Record your  slide show narration

There are a lot more options you can choose from in the  Slide Show  dialog box that that I will explain below, but recording your narration is still pretty easy and straight forward

To start recording your slide show narration, simply:

  • Choose your  Camera  and/or  Microphone
  • Make sure your  Camera  and/or  Microphone  is turned on
  • Use the  Record ,  Stop  and  Replay  commands to start and stop your narrations
  • Use the  Arrow  (or use your arrow keys) to advance to the next slide

Once you start recording, you get the option to pause the recording. This allows you to pause and collect your thoughts whenever you need to, and continue narrating your presentation when you are ready.

When you are finished, the individual video and/or audio file narrations are added to the lower right-hand corners of each individual slide, as you can see below.

As you can see in the picture above, your audio and video narrations are recorded and saved on a slide-by-slide basis. That means you can review and record narrations on any slide within your presentation.

Warning:  You can only have one narration file per slide.

If you re-record an audio or video narration, it automatically overwrites any previous narrations you had on that slide.

The only way to have two different narration files on the same slide, is to record one with the  Record Slide Show  dialog box, and record the second with the  Record Audio  command.

3. Set your narration to Play

Your  Record Slide Show  narrations are set to play  Automatically .

That means that whenever you run your presentation (from beginning or from current), your audio and/or video narration will automatically play.

To change when your audio or video narration plays, simply:

  • Select the  Narration  file on your slide
  • Choose either  In Click Sequence ,  Automatically  or  When Clicked On

4. Record Slide Show options

Record (or hit R) to start recording your narration.

Pause  (or hit I) to pause your narration and collect your thoughts. This button only displays once you’ve started recording.

Stop  (or hit S) to end your narration. If you hit Record again, your new narration will overwrite the existing one.

If you want to stop narrating your current slide before starting on the next one, don’t use the Stop button. Instead, simply navigate to your next slide using your arrow keys or the forward arrow on screen.

Replay  to replay your narration for the current slide. This button only becomes active after you have recorded a narration for that slide.

B. Speaker Notes options

Notes  (or hit N) to open or close your speaker notes for that slide. The Notes window is fairly small and you cannot resize it very well.

Your action of opening and closing the speaker notes pane will not show up in your recorded narration.

Font Size  commands increase and decrease the font size of your speaker notes so that you can see them better.

In my opinion the speaker notes pane is too small and not flexible enough for reviewing lots of speaker notes.

C. Clear Recordings options

Clear Recordings  allows you to clear your previous recording on either the current slide or on all the slides in your presentation.

You can also overwrite your recording and slide timings by simply recording over the top of your narrations.

Note:  Using Clear Recordings removes both your slide timings and narrations.

That means that if you want to remove your narrations but keep your slide timings, you will want to clear recordings outside of the  Record Slide Show  dialog box. See how to clear timings and narrations below.

D. Input options: Camera and Microphone

Microphone  allows you to choose which microphone you want to record with. So if you are using a microphone other than your computer’s built-in one, this is where you want to select your microphone before you begin recording your narration.

Camera  allows you to choose which camera or webcam you want to use if you are recording video narrations. If you are using a camera other than your computer’s built-in one, this is where you want to select it before you begin your narration.

E. Advance Slide options

Next Slide  advances the click sequence of your presentation, the same way hitting the right arrow key or clicking your slide with your mouse does.

If you have animated sequences or music that is supposed to play, clicking forwards will trigger those sequences, and eventually advance you to the next slide.

Previous Slide  moves you back one slide in your presentation, but it is only available to you when you are not recording.

That’s because re-recording a narration automatically overwrites the previous narration. So once you start your recording, you can only move forward in your presentation.

F. On / Off: Camera and microphone

Microphone  (on/off) turns your selected microphone on or off. You can turn your microphone off and still click through your presentation if you want to mute your sound in the recording.

Camera  (on/off) turns your selected camera on or off. This allows you to add or remove video recording in your narration.

Camera Preview  displays what your camera is recording during your narration. If seeing yourself onscreen while you narrate your presentation bothers you, simply turn camera preview off.

G. Ink options: Eraser, Pen and Highlighter

The  Pen  (Ctrl + P),  Highlighter  (Ctrl + I),   and Eraser  (Ctrl + E)   allow you to draw and highlight things on your slides during your presentation.

To change the color of your ink, simply click on one of the colors at the bottom of your screen.

Anything that you draw on your slides during your narration will be recorded as you draw them. That means that someone watching the recording will see you draw on the slide, as you narrate your presentation.

H. Slide Timings options

Slide Timings  show you how long you have spent on each slide, and which slide you are on within your presentation.

Therefore, if you are converting your PowerPoint presentation into a video, these slide timings determine how long you spend on each slide.

I. Close / Minimize options

Close / Minimize  allows you to close out of (or minimize) the  Record Slide Show  app.

Use the  Close  icon (the x) to exit out of the  Record Slide Show  dialog box and return to the Normal View of your presentation. You can also hit the  Esc  key on your keyboard to close out of the dialog box.

#3. How to clear your Timings and Narrations

To clear your  Timings and Narrations  from the Normal View of PowerPoint, simply:

  • Open the  Slide Show  tab
  • Open the  Record Slide Show  drop down
  • Select  Clear
  • Choose the  Timings  or  Narrations  you want to clear

If the  Clear  command is grayed out when you open the  Record Slide Show  drop down, that means that you do not have any  Narrations  or  Timings  (same as for transitions) set for your presentation.

Clear Timing on Current Slide  removes the set transition timing for the current slide.

Clear Timings on All Slides  removes the set transition timings on all the slides within your presentation.

Clear Narration on Current Slides  removes any voice or video narration you’ve recorded on the current slide.

Clear Narration on All Slides  removes any voice or video narrations from your entire presentation.

Note:  You can also clear the  Timings  and  Narrations  for your slides at the same time from inside the  Record Slide Show  dialog box.

Inside the dialog box, simply click the  X  and choose to  Clear Recordings on Current  or  Clear Recordings on All .

#4. How to compress your PowerPoint narrations

Adding audio and video narrations to PowerPoint significantly increases the size of your presentation as you can see in the picture above.

Therefore, I recommend compressing your file after you’re done recording narrations.

After narrating your PowerPoint, you can compress your   audio and video narrations. To do that, simply:

  • Navigate to the  File  tab
  • Select the  Info  group
  • Open the  Compress Media drop-down
  • Choose  a compression quality

PowerPoint automatically uses the Full HD (1080p) when recording your voice and video. So if you are tight for space, you will need to choose either the  HD (720p)  or  Standard (480p)  options .

If you have the latest version of PowerPoint, I highly recommend using the  Record Slide Show  option as it gives you the most options to work with.

Just keep in mind that narrating your PowerPoint with audio and video can greatly increase the size of your presentation. Therefore, you may end up needing to consider compress it.

Stage Manager enables users to work with multiple overlapping windows in a single view, resize windows, tap to switch between apps, and more. Final Cut Pro for iPad 2 , available later this spring, introduces Live Multicam, a new feature that transforms iPad into a mobile production studio, allowing users to view and control up to four connected iPhone and iPad devices wirelessly. 5 To support Live Multicam, an all-new capture app also comes to iPad and iPhone, Final Cut Camera, 6 giving users control over options like white balance, ISO, and shutter speed, along with monitoring tools like overexposure indicators and focus peaking. Final Cut Camera works as a standalone capture app or with Live Multicam. Final Cut Pro for iPad 2 also allows users to create or open projects from external storage, giving editors even more flexibility, and offers new content options. 7

The new iPad Pro is designed with the environment in mind, including 100 percent recycled aluminum in the enclosure, 100 percent recycled rare earth elements in all magnets, and 100 percent recycled gold plating and tin soldering in multiple printed circuit boards. The new iPad Pro meets Apple’s high standards for energy efficiency, and is free of mercury, brominated flame retardants, and PVC. The packaging is 100 percent fiber-based, bringing Apple closer to its goal to remove plastic from all packaging by 2025.

Today, Apple is carbon neutral for global corporate operations, and by 2030, plans to be carbon neutral across the entire manufacturing supply chain and life cycle of every product.

Canva is one of the best examples of a digital design platform that straddles the line between a professional tool and an easy-to-use learning system.

As such, it is a great way to begin teaching students how to use design tools, including the potential of using this very tool at work in the future. Canva is ideal for art and design, and also can be used in projects for technology, geography, history, English, and more. Crucially, students can learn to use this tool while also learning a specific subject.

Teachers can create posters for class or build images, charts, and more, all from this tool, which is crammed with helpful guidance and templates from which to work.

The addition of AI into this platform makes it more powerful and useful than ever -- as well as qualifying it as a genuinely great way to teach how to use AI generatively.

What is Canva?

Canva is a graphic design tool that works to simplify the process of digital design. As such, an account can easily be created and everything works either via a web browser or on the iOS or Android apps.

Canva allows for image editing and project-based learning using a simple drag-and-drop interface that works well even for younger students. From brainstorming as a group working collaboratively to individual project creation, it has lots of potential uses in the classroom.

With more than 250,000 template available, starting and progressing through a topic is very easy, even for those new to the platform. Stock photos, videos, and graphics are also available, with hundreds of thousands of choices from which to pick. All those numbers go even higher if you pay, but more on that below.

What's New in Canva?

Canva has been adding AI tools since these became more widely available and now has integrated three powerful AI systems. To generate images or videos, using text descriptions alone, there is Magic Media, Dall-E by OpenAI, and Imagen by Google Cloud.

Crucially, this setup also allows for editing and enhancing of images generated -- something not commonly available without coding knowledge and certain tools. All that should mean students and teachers can generate totally original imagery that's perfectly suited for whatever they're doing.

How does Canva work?

Canva is easy to sign up for, using either an email, Google account, or Facebook login. Once an account is created, for free, you can pick if you're using it as a teacher, student, or anything else. This will tailor the experience to your needs, making it simpler to search.

Teaching how to use Canva can be the focus of a lesson that aims to broaden the digital skills available to students. But since this is so easy to use, it will likely take very little time. Letting the students play with the options is how the deeper learning and creativity can flourish.

Canva offers plenty of virtual templates so students can work with a design and add in their own changes. This allows them to focus on the topic at hand without wasting time or energy on getting started with the tool itself.

Making a poster, for example, will start by offering templates down the left, then the main image on the right that you can customize. Clicking into this will make a toolbar appear with options to edit – this reacting as you work keeps things minimal and clear throughout.

You can upload your own images and videos, which is ideal when working on a smartphone using the app version. Once completed, you can download the file, share it via lots of social media optimized options, or send to a professional print service to have it printed.

What are the best Canva features?

Canva is crammed full of features but many are education-specific. Before getting into that, it's worth noting that Canva auto-saves. This is a great feature both for teachers and students as it means never worrying about losing work – something Google's ecosystem of tools has got many people used to.

While the templates are fantastic to make any presentation, poster, or image have more impact, there are powerful sub-tools. The graph templates, for example, are a great way to help in math and science classes – allowing for specific results to be displayed in a clear visual and engaging way.

Canva for Education is a powerful feature of this tool as it allows teachers to setup a virtual classroom, invite students, and have them collaborate on a project. This could be used in the classroom or remotely, with the aid of a video chat tool as well. In fact, you can link Zoom and then present screen to share the slides with the class as you go.

Comment additions are helpful with @ options, allowing alerts to be sent to the teacher. This lets students enquire about their work as they go, so they can feel confident they're going the right way. A nice tool that's especially helpful in this creative space in which students are given a lot of freedom and can sometimes feel a little lost, especially when working remotely.

Canva helpfully offers free online courses to help learn. The Canva for the Classroom course is a great resource to help teachers learn the best ways to work with the tool.

How much does Canva cost?

Canva is free to use both personally and in a classroom. While that does offer a whole host of tools and features, there are more that can be accessed with a paid for Canva Pro or Enterprise account.

Canva Free gets you more than 250,000 templates, more than 100 design types, hundreds of thousands of photos and graphics, collaboration, and 5GB of cloud storage.

Canva Pro is charged at $119.99 per year , which offers all the free features but has brand kit upload options, one-click Magic Resize for images, more than 420,000 templates, 75 million images, videos and graphics, design saving for team use, 100GB of cloud storage, and social media scheduling for seven platforms.

Canva best tips and tricks

Plan lessons Use Canva to visually lay out the lesson for yourself as a teacher but also to share with students so they know what to expect and can plan accordingly.

Build student profiles Have students create learning portfolios so they can see how they're progressing throughout the year -- this can also be a valuable revision and review tool.

Collaborate With up to 10 members in a project, have groups of students work together, in class and digitally from home, to create a finished body of work.

Chart graphics Ideal for math and science, Canva can be used to display data in rich charts and graphs to make presenting experiments, and more, visually engaging.

OpenAI had its first consumer “Spring Update” event on Monday, announcing a new GPT-4o artificial intelligence model and a major upgrade for free users of the ChatGPT platform.

Unlike its predecessor GPT-4, the new model is multimodal natively, able to understand speech and respond with speech without having to transcribe text first. This not only makes it more efficient and useful as a voice assistant — but much, much faster. We've got a guide on how to access GPT-4o if you want to try it out.

In addition to the new model, OpenAI has upgraded the search functionality in ChatGPT , and expanded support for uploading more file formats including video and audio and given users not paying for the Plus subscription access to GPTs and more. Here's what you can do with GPT-4o now and what's coming soon. 

What, when and where can I use the new ChatGPT features?

The issue is not everything is available now, not everything is available to everyone and there is no way to get your name to the top of the list — you just have to wait. So here is a guide to what is available today, what is coming soon and what might take a bit longer.

The new multimodal model GPT-4o, or Omni (for omnimodal) is already available for many paying ChatGPT subscribers. It is available on the web, in the app and for those lucky enough to get early access — in the desktop app as well.

Some free plan users also have access and it is slowly rolling out to all users “in the coming weeks”, although those on the free plan will five times fewer messages to Omni per hour than the Plus plan subscribers. This is because Omni is a more expensive model for OpenAI to run than GPT-3.5.

Availability: Already available for most plus subscribers, slowly rolling out over the coming weeks for free ChatGPT users.

GPT-4o macOS desktop app

OpenAI made a big deal out of its new desktop app. This will only be available for macOS and reports suggest only for devices using Apple Silicon chips and running macOS Sonoma, the current version of the operating system. Basically, only the most recent Macs.

When it is widely available OpenAI will put it on the macOS App Store, much like they already do for iOS and OpenAI will be listed as the developer — so avoid fake apps.

This app will be available “in the coming weeks” but some Plus and Teams plan users are already being given early access . They are being sent an email from OpenAI with a download link, which offers a dmg file to install on your computer.

There is a dmg file doing the rounds, which is apparently genuine. Even if that is the case and you manage to install it — you won’t be able to use it until OpenAI authorize your account.

Availability: OpenAI has confirmed that the macOS app is being rolled out right now to a limited set of users (you'll see a notification on the browser version if you've been picked), with broader access coming in the "next few weeks."

There was an earlier version of ChatGPT Voice available in the iPhone and Android apps. This allowed you to converse with the AI in a relatively natural way — but it wasn’t listening to what you were saying, rather it converted it to text and analyzed that.

The latest iOS update seems to have removed this functionality from the ChatGPT app for some users, although it may be a bug as OpenAI tells me it should still be available — but only if you use the GPT-4 model, not GPT-4o. The real voice feature is coming in the next few weeks.

When we get the real voice feature, as demonstrated by Mira Murati at the Spring Update event, it will be able to converse naturally without first converting words to text. You’ll also be able to interrupt it, have it change its tone of voice and respond with emotion.

Availability: Next few weeks in “early Alpha” for Plus and Team subscribers. Free users will get a limited-access version later in the summer.

The Evolution—And Future—of Litmus Live

Since its inception as The Email Design Conference in 2013, Litmus Live (as it’s now known) has been the event for email marketers all over the globe to get excited about. Including myself! The event is the beating heart of the email community—and that’s just one of the reasons why we feel the need to put the show on every year.

A quick Litmus Live history lesson

Originally, Litmus Live was designed to be an in-person event, where hundreds of email marketers convened in a single city. Over the course of a couple of days, they explored new email marketing techniques, learned from their peers, and made new email friends . However, in the year that shall not be named (it rhymes with venti schmenti), Litmus Live pivoted for the first time to a virtual event where we connected with thousands of marketers across the globe in a way we had never been able to before with the in-person events.

2023 marked the first year we returned to an in-person event since 2019! But we leveled up and introduced the ability for folks to live-stream the event if they couldn’t be there in person, answering a key piece of feedback we receive every year.

In 2023, Litmus Live offered twenty-six sessions over two days , covering everything from email accessibility to career pathing in email marketing, from brands like Salesforce, Zillow, and NBC Universal. We even introduced a whole new audience to one of the most-loved sessions, Live Email Optimization, where Litmus’ own email team shared their suggestions and feedback to audience-submitted emails—live on stage.

While the event went off without a hitch—we did learn an important lesson. Putting on an in-person event while also live-streaming and creating an engaging virtual experience is challenging. We didn’t hit the mark there.

But what we truly love about the virtual experience is just how accessible it is. There’s no travel required. You can be in the comfort of your own home or office. And sweatpants are totally an option.

Jokes aside, we want to make Litmus Live truly an event that all marketers can attend.

Litmus Live will be back

Which brings us to Litmus Live in 2024. It brings me a lot of joy to announce that Litmus Live will indeed be coming back in 2024 as a virtual event that will be absolutely free.

You read that right: Litmus Live registration will not cost you anything this year. You won’t have to book a flight or a hotel room. The only thing you’ll need to book is time in your calendar. And hopefully, that should be easy enough to get buy-in from your boss!

While we’re still ironing out the details—including finalizing those all-important dates—we can tell you we’re aiming for a late September/October timeframe for the event itself.

What does this mean for the future of Litmus Live?
