In this configuration activity we are able to define account assignment groups for customers used in Sales and Distribution Module ( SD ).

Transaction: OVK8

IMG Path: Sales and Distribution -> Basic Functions -> Account Assignment/Costing -> Revenue Account Determination ->  Check Master Data Relevant For Account Assignment

Tables: TVKT, TVKTT

If you use the IMG Menu, you will have to choose the second option on the pre-selection screen.

On the main screen there is a list of Account Assignment Groups for Customers. You can create new here if you need.

Step 1) Enter Transaction Code SPRO in the SAP Command Field

Financial Accounting ->Accounts Receivable and Accounts Payable ->Customer Accounts -> Master Data ->Preparations for Creating Master Data->Define Account Groups with Screen Layout(Customers)

Step 4) In the next screen , Select the ‘New Entries’ Button from Application Menu bar

Step 5) In the next screen , Enter the Following

  • Enter a Unique key as Account Group key
  • Enter a short description for the Account Group
  • Check this for creating Account Group for OneTime Customers
  • Enter the Output Determination Procedure
  • Select the Master Data Section for which you want to maintain the Field Status

Step 6) Press ‘Edit Field Status’ button to maintain the field status of the selected Master Data Section

  • Field Selection Control : Account groups determine which fields in the master record are mandatory, optional, or hidden. This standardization ensures consistency and completeness in data entry.

  • Number Range Definition : Account groups assign specific number ranges to customer or vendor accounts. This assignment dictates whether account numbers are generated automatically by the system or entered manually.
  • Master Data Management : These groups control the maintenance of master data for customers or vendors. This includes creating, modifying, and viewing master records.
  • Customer/Vendor Classification : Account groups classify customers or vendors into distinct categories, simplifying management and analysis. For example, they can differentiate between domestic and international customers.

In SAP S/4HANA Sales, standard customer account groups are essential for managing customer master data, each serving specific roles in sales transactions. These include:

  • Sold-To Party (SP) : Customers who receive goods or services.
  • Ship-To Party (SH) : Customers to whom goods or services are delivered.
  • Bill-To Party ( BP ) : Customers responsible for invoice payments.
  • Payer (PY) : Customers who make the actual payments.
  • Contact Person (CP) : Individuals serving as contact points at customer locations.

These account groups organize customer data efficiently, catering to different aspects of sales and distribution processes in SAP S/4HANA. Step by step process to create Customer Account Groups in SAP SD

In this SAP Sd tutorial , we are creating a new customer account group called “ SAHT ” with a number range “ ZS ” . In SAP SD creating Account groups are like setting up a new category in your customer database. You’ll give it a name, maybe a description that explains it’s for customers related to  products, and then assign a unique code “ ZS ” to identify customers in this group.

  • Create Number range intervals for customer Account groups.
  • Create Customer Account Groups and assign the number ranges intervals.

First, log into the SAP system using your credentials. Then, go to the section where you manage customer account groups, using a specific code (like OVT0 ). Here, you’ll add a new entry for your “SAHT” group.

  • Transaction code : OVT0
  • Img path : SPRO => Logistics general => Business partner => Customer control => define a/c group and field selection for customer.

Select the Standard Account Group “0001” (Sold to party) and define your own Account Group (SHT) as shown below.

Define Customer Account Groups in SAP S4 Hana

When you are creating a customer account in SAP, you must specify an account group for the customer account.

Customer Account group determines

  • The number range intervals for customer accounts
  • It determines the type of number assignment, whether the number range interval is assigned internally or externally
  • Type of Account
  • It determines field status for creating customer master records, i.e. which fields are optional or mandatory to maintain when you are creating or editing customer master records.

Scenario : After the creation of customer account groups, you need to assign the BP group to the Customer Account Group for customer/ vendor integration with Business Partner. In S4 Hana, when you create BP, the customer account will be created.

In this configuration, we are going to maintain the following customer account group in SAP Hana system: –

How to Define Customer Account Groups in SAP S4 Hana

You can define customer account groups in SAP S4 Hana by using the following navigation methods:

  • Transaction code: OBD2
  • SAP IMG Path: SAP Customizing Implementation Guide > Financial Accounting > Accounts Receivable and Accounts Payable > Customer Accounts > Master Data > Preparation for Creating Customer Master Data > Define Account Groups with Screen Layout (Customers)

Refer to the below step-by-step procedure to create customer account groups in the SAP S4 Hana system.

Step 1 : Execute transaction code “OBD2” in the SAP command field

Step 2: In the next screen – change the view of customer account groups, it displays a list of existing customer account groups in the SAP S4Hana system. From this screen, you can maintain new customer account groups by copying from existing account groups or by the new entries function.

In this scenario, we are going to maintain new customer account groups in SAP by using the new entries option. So click on “New Entries” to the option to create new customer account groups in the SAP system.

Step 3: On the New entries of the customer accounts groups creation screen, update the following fields

  • Account Group: Enter a new key that defines a customer account group in SAP S4 Hana.
  • Meaning: Update the text of the customer account group
  • One-Time Account: Check this indicator only, if this customer account group is applicable to creating one-time customer accounts.

Now double click on “ Company Code Data ”

Step 4: In the next screen, Maintain Field Status Group: Overview -double click on “ Account Management ”

Step 5 : Under Account Management fields, update the following fields as Required entry

  • Reconciliation Account

Step 6 : Now go to the next group: Payment transactions , make the following fields as required entry

  • Terms of Payment
  • Also as per business client requirements, you can make the fields required entries or optional entries.

After maintaining complete details for customer account groups, click the save option and save the details in SAP S4 Hana system.

There are different types of customer account group that can be created in Account Receivable in SAP FI.

How to create a Customer Account Group?

Go to SPRO → SAP Reference IMG → Financial Accounting → AR and AP → Customer Accounts → Master Data → Preparations for creating customer master data → Define Account Groups with screen layout (Customers) → Execute.

Define Customer Account Group

A new window will open. Click New Entries as shown in the following screenshot.

It will open another new window. Enter the following details −

Customer Account Group − Enter 4-digit account group.

Name − Enter the name under General data field.

Field Status − Click Company code data.

Details Add Entries

Once you select Field Status, a new window will open.

Select Account Management from the select group and click Reconciliation account Req. Entry.

Maintain Field Status Group

Once this is done, click the save icon at the top to save the configuration. Similarly you can create X002, X003 for other customers.

How to assign number ranges to customer account groups.

In this SAP tutorials, you will learn how to assign number ranges to customer account groups step by step by using transaction code OBAR. In our previous training tutorial, we have learned how to create customer account groups in SAP .

Configuration steps

You can assign number range intervals to customer account groups by using one of the following navigation method.

  • Transaction code: – OBAR
  • Menu Path: – SPRO > Financial Accounting (New) -> Accounts Receivable and Accounts Payable –> Customer Accounts —> Master Data —-> Preparations for creating customer master data —–> Assign number ranges to customer account groups.

Assignment Procedure

Step 1) Enter T-Code “OBAR” in the SAP command field and press enter.

Step 2) On change view “Assign Customer Acct Groups –> Number Range overview screen, click on position button and enter customer account group key in the given field. So the customer account group key displays on top of the screen.

Step 3) Now update the customer account group number range interval “TK” in the field number range as shown below.

Introduction to Margin Analysis

The following video provides an overview of Margin Analysis.

Master Data

Master data in margin analysis include profitability characteristics and functional areas. Functional areas break down corporate expenditure into different functions, in line with the requirements of cost of sales accounting.

These functions can include:

  • Production.
  • Administration.
  • Sales and Distribution.
  • Research and Development.

For primary postings, the functional area is derived according to fixed rules and included in the journal entries. For secondary postings, the functional area and partner functional area are derived from the sender and receiver account assignments to reflect the flow of costs from sender to receiver.

Profitability Characteristics

Profitability characteristics represent the criteria used to analyze operating results and the sales and profit plan. Multiple profitability characteristics are combined to form profitability segments. The combination of characteristic values determines the profitability segment for which the gross margin structure can be displayed. A profitability segment corresponds to a market segment.

For example, the combination of the characteristic values North (Sales region), Electronics (Product group) and Wholesale (Customer group) determine a profitability segment for which the gross margin structure can be displayed.

The data includes key metrics such as revenues of 800, discounts of 100, cost of goods sold (COGS) of 550, and a gross margin of 150. Additional details include a specific product (Prod1), customer (Cust2), and sales representative (Miller).

True vs Attributed Account Assignments

Each activity relevant to Margin Analysis in the SAP system, such as billing, creates line items. G/L line items can carry true or attributed account assignments to profitability segments.

  • Goods issue item or billing document item in a sell-from-stock scenario.
  • Manual FI posting to profitability segment.
  • Primary Costs or Revenue.
  • Secondary Costs.
  • Balance Sheet Accounts with a statistical cost element assigned.

The derivation of attributed profitability segments is based on the true account assignment object of the G/L line item. This object can be of the following types:

  • Cost Center.
  • Sales Order.
  • Production Order (only for Engineer-to-Order process.)
  • Maintenance Order.
  • Service Document (service order or service contract.)

After the profitability characteristics are derived, the resulting data is mapped to the G/L line item according to specific mapping rules. An attributed profitability segment is derived to fulfill the requirement of filling as many characteristics in the item as possible to enable the maximum drilldown analysis capability.
