Anyone in a meeting, as well as a presenter in a  webinar  or event, can share content. If you move an open window over the shared application, nobody can see it, but you can  show your camera video over the shared application .

Share your screen

When you share your screen, everyone sees what you can see on your screen. If you have a Word document or a PowerPoint slide, or even a website or chat window open, they’ll see it.

Share only a specific application

When you share a specific application, others can't see anything other than the shared application. For example, if you have your browser and PowerPoint open and you choose to share PowerPoint, they can't see the browser tabs you have open. But if you have several PowerPoint presentations open, you can switch between them and they'll still be shared. You can also edit slides as you share them.

Share multiple applications

You can share multiple applications without having to stop what you're currently sharing.

To share an additional app while currently sharing, click  Share  and then select  Share Content .

Share video content

Sharing video  content  is slightly different from sharing any other type of content. That’s why Webex Meetings and Events has a sharing mode that’s optimized for video.

See what you're sharing

When you’re sharing content, you want to make sure you’re sharing only what you want and that everyone in the meeting can see it. When you share your screen or an application, check what everyone else sees by opening a window that shows you what you're sharing.

While sharing, go to the tab in the meeting control bar at the top of the screen and click the down arrow.

Share a whiteboard.

Create a whiteboard  to visually share your ideas. Whiteboards shared during a meeting aren't automatically saved. Remember to save your whiteboard.

How to share a powerpoint presentation using Cisco Webex

Many of us have had to turn to running meetings virtually in recent weeks, which can be a daunting task if you are not familiar with using virtual meeting software.

Here is a quick guide on how to share a Powerpoint presentation using Webex during a virtual meeting.

Log into your Webex account, create your meeting invite and join your meeting.

Once your meeting is set up, simply click on the share screen button (below) in Webex.

This will open a pop-up screen (below) where you can select how you wish to share your presentation. In this case either via desktop or using Powerpoint directly.

This will automatically broadcast the app or desktop view you chose to share. A small orange Webex strip will be visible at the top of the screen to remind you that you are broadcasting (below).

If you hover over this strip you will find more options (including the ability to annotate your slides and use a group chat).

Sharing a Powerpoint presentation with Participoll using Webex

If you are running an interactive PowerPoint presentation with ParticiPoll, all the polling/interactive functions within your Powerpoint will function normally (below).

The audience can continue to use their mobile devices to participate with polling etc. as normal.

When sharing a Powerpoint presentation with Participoll in Webex remember the screen share feature (either desktop or via the Powerpoint app) is what you need to use to share your presentation, all ParticiPoll functionality remains the same.

How to share your screen with other participants on a Webex video call using a computer or mobile device

  • You can easily share your screen in a Webex video meeting, no matter the device you're connected on.
  • Tap the "Share" button at the bottom of the screen and choose the kind of screen information you want to share.
  • You can choose to stop sharing your screen, or, if another participant starts to share their screen, your sharing will automatically end.

When you take part in a Webex meeting, you can share your screen with the other attendees – anyone can "take control" of the meeting and share content. Of course, only one person can share at a time, so if you start sharing, Webex will disable the previous presenter automatically. 

No matter how you are joined to a Webex meeting – from the Windows or Mac desktop app, a web page, or mobile app – the process to share is almost identical, though the controls vary somewhat once you are sharing.

While a meeting is taking place, tap the "Share" button at the bottom of the screen. Most of the time, you should be able to see the "Share" symbol (a U with an upward arrow) to the right of the "Start Video" button. If you don't see it, tap the three-dot menu to see more options and you will find it there.

Choose the kind of content you want to share. The first option should be to share the screen. If that's what you want, tap it. Otherwise, you can browse the other share options, such as a specific app or browser window, or even a whiteboard you can draw and write on. On the mobile app, you'll also have the option to share photos from your camera roll.

The sharing experience varies depending upon what device or app you are using to share:

  • Windows or Mac desktop app: When you start sharing, you'll find a menu at the top of the screen. You can click "Share" to change the kind of content you are sharing. Click "Pause" to freeze the view that other participants see, or "Stop Sharing" to disable the screen share. 
  • Browser: While you're sharing, you can click the "Share" button to view or hide a pop-up that displays a preview image of your shared content. Click "Stop sharing" to end the sharing session.
  • Mobile app: While you're sharing your screen, you may leave the Webex app to show content from other apps. To stop sharing, tap the red time display at the top left of the screen and then tap "Stop." You can then return to the Webex app and tap any blank part of the screen to return to the meeting.

  • Launch a browser, navigate to  umaryland.webex.com , then login to Webex using your UMBID and password, and DUO two-factor authentication.
  • Find and click on the Start a Meeting button.
  • Enable your microphone and camera and click, Start Meeting.
  • If appropriate, launch PowerPoint and open your slide presentation.
  • When ready, click the Recorder button on the bottom of your screen and begin your presentation.
  • To display the PowerPoint, you must Open Powerpoint first, click the Share Content button (next to the Recorder button) and select PowerPoint.
  • To stop sharing the presentation, move your pointer to the orange bar at the top of the screen wait for the tool bar to descend from the top of the screen. Select Stop Sharing.
  • To Stop the Recording, click on the Recorder button again and select Stop Recording.
  • To share your recording, return to the Webex Portal (umaryland.webex.com and select Recordings (on the left). Please be aware that your recording may not be immediately available. Lengthy recordings sometimes take up to 24 hours to finish “generating.”
  • Locate your recording and either click the Download button to download a MP4 version of your video or click the Share button to email the recording to your selected recipients.

How to Share Video with Sound in Webex on a Windows 10 PC?

If you are familiar with Webex, then you already know that you can use the desktop app or the web app. Although the desktop app provides many more features, you can participate in video meetings on the web app as well. However, since downloading the desktop app only takes a couple of minutes, we highly recommend doing it, as you will come across several limitations on the web app.

In any case, we will show you how to share videos with sound on both versions of this platform. What’s more, the process of sharing content on the web app and the desktop app is relatively similar.

To share your video file with sound in Webex on Windows 10 using the desktop app, follow the steps below:

That’s about it. Webex allows all the participants of the meeting to hear the video clearly, no matter what device they are using to participate in the meeting at that moment.

To share video with sound in Webex on the web app, follow the steps below:

Note : The option to optimize for text, images, motion, and video is only available on Google Chrome so far. This feature isn’t possible on other browsers at the time of this writing.

Keep in mind that the Webex web app looks the same on all devices. So, no matter which OS you have, sharing your video with sound on the Webex web app consists of identical steps.

How to Share Video with Sound in Webex on a Mac?

Sharing video content with audio in Webex on your Mac is similar to how you would do it on Windows 10, but it requires a couple of more steps. Here’s how it’s done:

  • When ready, press Play .
  • Once your video finishes playing, click on Stop Sharing on the floating bar at the top of your screen.

That’s all there is to it. The next time you want to share your video content on your Mac, you will be taken to the “Share content” tab directly.

If you want to share a video file with audio in Webex on a Chromebook, follow the steps below:

To make sure everything goes smoothly, prepare the video before the meeting starts. When it’s time to share it, you will know exactly where it is. This step can be very handy if you have a lot of tabs and apps open. Just remember, when you share your screen, your colleagues can see everything it contains.

How to Share Video with Sound in Webex on Linux?

Sharing your video content with audio in Webex on Linux is also possible. Here’s how you can do it:

  • Open the Webex desktop app and either start a new meeting or join one.
  • Hover your cursor over the screen for the toolbar to appear and go to Share content .
  • A new tab will pop up. Click on the Optimize for text and images tab.
  • Select Optimize for motion and video from the menu.
  • Click on the Share your computer audio box in the bottom-right corner of your screen.
  • Choose the screen or app where your video is.
  • Enter the video and press Play .
  • When your video finishes playing and you don’t want to share any more content, simply go to the Stop Sharing bar at the top of your screen, and you can continue your meeting.

That’s all there is to it.

If you have multiple videos to share, but they are located within different screens, go to the Share content icon to switch between screens. The fewer tabs you have open at this point, the better. Too many open pages and tabs can confuse both you and your colleagues.

How to Share Video with Sound in Webex on iOS?

  • Within a meeting, tap on More and choose Share content .
  • Now, choose Optimize for Video and select the Include Audio option.
  • Select the video you want and tap Share .

Does webex offer this functionality on the iphone or android.

Webex is also available for mobile devices, and you can share your screen with both iPhone and Android devices. Unfortunately, sharing video and audio files still isn’t possible on Android at this point, but you can share video on the iOS app.

On the other hand, you can share plain text, Microsoft Office documents, Apple iWorks documents, PDF files, images, ZIP files, and many more. The option to share .mp4 files might become possible in the future.

Apart from standard video chat features, some other things you can do on the Webex mobile app include muting participants, changing your video connection options, changing your background, searching for participants, changing participant roles, recording meetings, and many more options.

When you start a conversation with someone, it creates a space between you and the people you invite to the conversation. You can invite anyone (including people outside your organization) to join in on a conversation. All you need is their email address.

All your work takes place within spaces and teams . Spaces give you a place to collaborate on a specific topic or project. In a space, you can send messages , schedule meetings , and call other people .

If your original intention changes and your project outgrows its original purpose, you can  create a team  and then  move a space into a team . Teams help you keep everything organized by putting multiple spaces under a common theme. Teams are great for a consistent group of people who are going to be working on  something  for a long time. That  something  can involve many activities or can be subprojects happening at the same time.

If your organization has public spaces , you can discover, join or create public spaces and connect with people with similar interests, or keep up with the latest news.

And you find that you're in too many spaces and some of them don't require your input or you don't need to keep up with that particular conversation, you can leave any space at any time.

Elevate important information

Right away, you're notified about all messages coming your way. Work smarter by keeping track of what's important to you. You can play around with your notifications until you figure out what works best for you. For example, you can set it up so that you're only notified when you're @mentioned in any space or when any message gets posted in your most important spaces . And if you're not interested in a particular space, you can leave it or hide it so that you're no longer notified about messages posted to that space and it doesn't show up in your Spaces list.

Change notification settings

You can also see other people's availability so that you can find the right time to connect with them. For example, if you see a green circle around someone's profile picture, it means they've been using the app within the last 10 minutes so chances are, you'll get a response if you reach out.

Personalize your Webex App

Make the Webex App feel more like your own by personalizing it a bit. Start by adding your own photo as your profile picture so that other people can recognize you.

You can change your status to be something more descriptive. When you write your messages, you can send a quick one , or make it stand out with more text formatting and emojis . You can also share files, pictures, videos, and even gifs . Webex App keeps a list of all the  content shared in a space , so you'll never lose track of them. Use @mentions to make sure the right people see your message. Don’t worry if you’ve made a mistake and need to edit it or if you’ve pasted in the wrong space and need to delete the message entirely.

Your messages are persistent. The next time you message the group, your conversation picks right up where you've left it. And after you send a message, you can see who's read your message .

When you get a new message, you're notified right away. If you’re too busy to respond but want to see someone’s message, you can just take a quick peek instead. People won't know that you've seen the message.

You can also make it easy for yourself and others to follow a specific train of thought using threading , quotes , and even forwarding a message to someone else.

Organize your messages

Another way to help keep you productive is by organizing your messages. You can filter your messages so that you can focus on just your unread messages, for example, or just spaces where you've been @mentioned.

When you join a meeting from your computer, the app automatically detects the audio and video devices you have connected to your computer, such as a headset. From a space

If you’re already working together in a space, anyone can start an instant meeting to meet right away or schedule one for later . With these types of meetings, everyone in the space gets invited automatically and gets treated like a host. So, during the meeting, everyone can let people in, mute people, and record. Since you’re meeting in the same space where you’re working, you get easy access to your messages, files, and whiteboards, and you can work on them while you’re in the meeting.

From a calendar

From your Meetings calendar, you can start a meeting right away in your Personal Room . You’ll see this option if you have a host license, and it gives you a virtual conference room assigned just to you. Because it’s your own room, your link’s always the same.

If you don’t see that choice, you can still schedule a meeting with anyone else. You don’t need to be connected to them in the app, and they don’t even need to have a Webex account. Plus, you or anyone you assign as a cohost can start the meeting, invite people to it, start breakout sessions, enable recording transcripts, and more.

See your upcoming meetings

Knowing what meetings you have can help you plan your work day. You can view details about your upcoming meetings in your meetings list, like what the meeting is about, when it's happening, who's invited, and who scheduled the meeting. When it's time for a meeting to start, you can join it from the meetings list, too.

Answer a call

When you get a call, you get a notification that you can use to accept or decline it. If the person calling you has a Webex account, you can also message the person back if you're not able to take the call right away.

Call someone with a phone number

If your organization has configured your Webex account with a  phone service , you can also  call anyone else with a phone number . This type of calling requires additional services so check if your account has a phone service , associated with it.

When you call like this, it’s just like making a regular phone call from any other type of phone. If you want to call your favorite restaurant to make your lunch order, call them right from the app, and place your order.

When you're in a phone call, you may have access to certain features. Here are just a few features available:

Put a call on hold —If you're on a phone call with someone and you get interrupted with something else that you need to take care of, you can put the call on hold and resume it when you're free to chat again.

Transfer a call —When you're on a call, you can transfer that call to someone else.

Forward a call —If you're going to be away from your desk but don't want to miss an important phone call, you can forward your calls to another phone number.

Add someone to your contacts —You can add people to your Contacts list , making it easier to connect with the people you message and call most often.

Voicemail —Don't worry about missing important calls. People can leave you a voice message and you can listen to the message right in the app.
