Demystify the numbers. Your audience will thank you.

While a good presentation has data, data alone doesn’t guarantee a good presentation. It’s all about how that data is presented. The quickest way to confuse your audience is by sharing too many details at once. The only data points you should share are those that significantly support your point — and ideally, one point per chart. To avoid the debacle of sheepishly translating hard-to-see numbers and labels, rehearse your presentation with colleagues sitting as far away as the actual audience would. While you’ve been working with the same chart for weeks or months, your audience will be exposed to it for mere seconds. Give them the best chance of comprehending your data by using simple, clear, and complete language to identify X and Y axes, pie pieces, bars, and other diagrammatic elements. Try to avoid abbreviations that aren’t obvious, and don’t assume labeled components on one slide will be remembered on subsequent slides. Every valuable chart or pie graph has an “Aha!” zone — a number or range of data that reveals something crucial to your point. Make sure you visually highlight the “Aha!” zone, reinforcing the moment by explaining it to your audience.

Bar charts can be horizontal or vertical, although the vertical format is commonly known as a column chart. They display categorical, discrete, or continuous variables grouped in class intervals [1] . They include an axis and a set of labeled bars horizontally or vertically. These bars represent the frequencies of variable values or the values themselves. Numbers on the y-axis of a vertical bar chart or the x-axis of a horizontal bar chart are called the scale.

Let’s say a sales manager is presenting sales to their audience. Using a bar chart, he follows these steps.

Step 1: Selecting Data

The first step is to identify the specific data you will present to your audience.

The sales manager has highlighted these products for the presentation.

Step 2: Choosing Orientation

They simplify complex information so the audience can quickly grasp the ups and downs of values. To understand line graphs thoroughly, we will use a real case. Imagine you’re a financial analyst presenting a tech company’s monthly sales for a licensed product over the past year. Investors want insights into sales behavior by month, how market trends may have influenced sales performance and reception to the new pricing strategy. To present data via a line graph, you will complete these steps.

First, you need to gather the data. In this case, your data will be the sales numbers. For example:

Dashboards help quickly see Key Performance Indicators (KPIs). You don’t make new visuals in the dashboard; instead, you use it to display visuals you’ve already made in worksheets [3] .

Keeping the number of visuals on a dashboard to three or four is recommended. Adding too many can make it hard to see the main points [4]. Treemap charts represent hierarchical data structured in a series of nested rectangles [6] . As each branch of the ‘tree’ is given a rectangle, smaller tiles can be seen representing sub-branches, meaning elements on a lower hierarchical level than the parent rectangle. Each one of those rectangular nodes is built by representing an area proportional to the specified data dimension.

Treemaps are useful for visualizing large datasets in compact space. It is easy to identify patterns, such as which categories are dominant. Common applications of the treemap chart are seen in the IT industry, such as resource allocation, disk space management, website analytics, etc. Also, they can be used in multiple industries like healthcare data analysis, market share across different product categories, or even in finance to visualize portfolios.

Real-Life Application of a Treemap Chart

Let’s consider a financial scenario where a financial team wants to represent the budget allocation of a company. There is a hierarchy in the process, so it is helpful to use a treemap chart. In the chart, the top-level rectangle could represent the total budget, and it would be subdivided into smaller rectangles, each denoting a specific department. Further subdivisions within these smaller rectangles might represent individual projects or cost categories.

Step 1: Define Your Data Hierarchy

While presenting data on the budget allocation, start by outlining the hierarchical structure. The sequence will be like the overall budget at the top, followed by departments, projects within each department, and finally, individual cost categories for each project.

Step 2: Choose a Suitable Tool

It’s time to select a data visualization tool supporting Treemaps. Popular choices include Tableau, Microsoft Power BI, PowerPoint, or even coding with libraries like D3.js. It is vital to ensure that the chosen tool provides customization options for colors, labels, and hierarchical structures.

Here, the team uses PowerPoint for this guide because of its user-friendly interface and robust Treemap capabilities.

Step 3: Make a Treemap Chart with PowerPoint

After opening the PowerPoint presentation, they chose “SmartArt” to form the chart. The SmartArt Graphic window has a “Hierarchy” category on the left.  Here, you will see multiple options. You can choose any layout that resembles a Treemap. The “Table Hierarchy” or “Organization Chart” options can be adapted. The team selects the Table Hierarchy as it looks close to a Treemap.

Step 5: Input Your Data

After that, a new window will open with a basic structure. They add the data one by one by clicking on the text boxes. They start with the top-level rectangle, representing the total budget.

By clicking on each shape, they customize its color, size, and label. At the same time, they can adjust the font size, style, and color of labels by using the options in the “Format” tab in PowerPoint. Using different colors for each level enhances the visual difference.

Treemaps excel at illustrating hierarchical structures. These charts make it easy to understand relationships and dependencies. They efficiently use space, compactly displaying a large amount of data, reducing the need for excessive scrolling or navigation. Additionally, using colors enhances the understanding of data by representing different variables or categories.

In some cases, treemaps might become complex, especially with deep hierarchies.  It becomes challenging for some users to interpret the chart. At the same time, displaying detailed information within each rectangle might be constrained by space. It potentially limits the amount of data that can be shown clearly. Without proper labeling and color coding, there’s a risk of misinterpretation.

A heatmap is a data visualization tool that uses color coding to represent values across a two-dimensional surface. In these, colors replace numbers to indicate the magnitude of each cell. This color-shaded matrix display is valuable for summarizing and understanding data sets with a glance [7] . The intensity of the color corresponds to the value it represents, making it easy to identify patterns, trends, and variations in the data.

As a tool, heatmaps help businesses analyze website interactions, revealing user behavior patterns and preferences to enhance overall user experience. In addition, companies use heatmaps to assess content engagement, identifying popular sections and areas of improvement for more effective communication. They excel at highlighting patterns and trends in large datasets, making it easy to identify areas of interest.

We can implement heatmaps to express multiple data types, such as numerical values, percentages, or even categorical data. Heatmaps help us easily spot areas with lots of activity, making them helpful in figuring out clusters [8] . When making these maps, it is important to pick colors carefully. The colors need to show the differences between groups or levels of something. And it is good to use colors that people with colorblindness can easily see.

Pie charts are circular statistical graphics divided into slices to illustrate numerical proportions. Each slice represents a proportionate part of the whole, making it easy to visualize the contribution of each component to the total.

The size of the pie charts is influenced by the value of data points within each pie. The total of all data points in a pie determines its size. The pie with the highest data points appears as the largest, whereas the others are proportionally smaller. However, you can present all pies of the same size if proportional representation is not required [9] . Sometimes, pie charts are difficult to read, or additional information is required. A variation of this tool can be used instead, known as the donut chart , which has the same structure but a blank center, creating a ring shape. Presenters can add extra information, and the ring shape helps to declutter the graph.

Pie charts are used in business to show percentage distribution, compare relative sizes of categories, or present straightforward data sets where visualizing ratios is essential.

Consider a scenario where you want to represent the distribution of the data. Each slice of the pie chart would represent a different category, and the size of each slice would indicate the percentage of the total portion allocated to that category.

Imagine you are presenting the distribution of a project budget among different expense categories.

3D pie charts and 3D donut charts are quite popular among the audience. They stand out as visual elements in any presentation slide, so let’s take a look at how our pie chart example would look in 3D pie chart format.

Step 03: Results Interpretation

The pie chart visually illustrates the distribution of the project budget among different expense categories. Personnel constitutes the largest portion at 40%, followed by equipment at 30%, marketing at 20%, and miscellaneous at 10%. Pie charts provide a straightforward way to represent proportions and percentages. They are easy to understand, even for individuals with limited data analysis experience. These charts work well for small datasets with a limited number of categories.

However, a pie chart can become cluttered and less effective in situations with many categories. Accurate interpretation may be challenging, especially when dealing with slight differences in slice sizes. In addition, these charts are static and do not effectively convey trends over time.

Histograms present the distribution of numerical variables. Unlike a bar chart that records each unique response separately, histograms organize numeric responses into bins and show the frequency of reactions within each bin [10] . The x-axis of a histogram shows the range of values for a numeric variable. At the same time, the y-axis indicates the relative frequencies (percentage of the total counts) for that range of values.

Step 4: Create the Histogram

It’s time to turn the data into a visual representation. Draw a bar for each bin on a graph. The width of the bar should correspond to the range of the bin, and the height should correspond to the frequency.  To make your histogram understandable, label the X and Y axes.

In this case, the X-axis should represent the bins (e.g., test score ranges), and the Y-axis represents the frequency.

The histogram of the class grades reveals insightful patterns in the distribution. Most students, with seven students, fall within the 80-89 score range. The histogram provides a clear visualization of the class’s performance. It showcases a concentration of grades in the upper-middle range with few outliers at both ends. Thus, histograms provide a clear visual representation of data distribution. They are easy to interpret, even for those without a statistical background. A scatter plot is a graphical representation of the relationship between two variables. It consists of individual data points on a two-dimensional plane. This plane plots one variable on the x-axis and the other on the y-axis. Each point represents a unique observation. It visualizes patterns, trends, or correlations between the two variables.

Scatter plots are also effective in revealing the strength and direction of relationships. They identify outliers and assess the overall distribution of data points. The points’ dispersion and clustering reflect the relationship’s nature, whether it is positive, negative, or lacks a discernible pattern. In business, scatter plots assess relationships between variables such as marketing cost and sales revenue. They help present data correlations and decision-making.

A group of scientists is conducting a study on the relationship between daily hours of screen time and sleep quality. After reviewing the data, they managed to create this table to help them build a scatter plot graph:

The 7 Most Useful Data Analysis Methods and Techniques

Data analytics is the process of analyzing raw data to draw out meaningful insights. These insights are then used to determine the best course of action.

When is the best time to roll out that marketing campaign? Is the current team structure as effective as it could be? Which customer segments are most likely to purchase your new product?

Ultimately, data analytics is a crucial driver of any successful business strategy. But how do data analysts actually turn raw data into something useful? There are a range of methods and techniques that data analysts use depending on the type of data in question and the kinds of insights they want to uncover.

In this post, we’ll explore some of the most useful data analysis techniques. By the end, you’ll have a much clearer idea of how you can transform meaningless data into business intelligence. We’ll cover:

The first six methods listed are used for quantitative data , while the last technique applies to qualitative data. 1. What is data analysis and why is it important?

Data analysis is, put simply, the process of discovering useful information by evaluating data. This is done through a process of inspecting, cleaning, transforming, and modeling data using analytical and statistical tools, which we will explore in detail further along in this article.

Why is data analysis important? Analyzing data effectively helps organizations make business decisions. Nowadays, data is collected by businesses constantly: through surveys, online tracking, online marketing analytics, collected subscription and registration data (think newsletters), social media monitoring, among other methods.

These data will appear as different structures, including—but not limited to—the following:

The concept of big data —data that is so large, fast, or complex, that it is difficult or impossible to process using traditional methods—gained momentum in the early 2000s. Then, Doug Laney, an industry analyst, articulated what is now known as the mainstream definition of big data as the three Vs: volume, velocity, and variety. 

  • Volume: As mentioned earlier, organizations are collecting data constantly. In the not-too-distant past it would have been a real issue to store, but nowadays storage is cheap and takes up little space.
  • Velocity: Received data needs to be handled in a timely manner. With the growth of the Internet of Things, this can mean these data are coming in constantly, and at an unprecedented speed.
  • Variety: The data being collected and stored by organizations comes in many forms, ranging from structured data—that is, more traditional, numerical data—to unstructured data—think emails, videos, audio, and so on. We’ll cover structured and unstructured data a little further on.

This is a form of data that provides information about other data, such as an image. In everyday life you’ll find this by, for example, right-clicking on a file in a folder and selecting “Get Info”, which will show you information such as file size and kind, date of creation, and so on.

Real-time data

This is data that is presented as soon as it is acquired. A good example of this is a stock market ticket, which provides information on the most-active stocks in real time.

Machine data

This is data that is produced wholly by machines, without human instruction. An example of this could be call logs automatically generated by your smartphone.

Quantitative and qualitative data

Quantitative data—otherwise known as structured data— may appear as a “traditional” database—that is, with rows and columns. Qualitative data—otherwise known as unstructured data—are the other types of data that don’t fit into rows and columns, which can include text, images, videos and more. We’ll discuss this further in the next section.

2. What is the difference between quantitative and qualitative data?

How you analyze your data depends on the type of data you’re dealing with— quantitative or qualitative . So what’s the difference?

Quantitative data is anything measurable , comprising specific quantities and numbers. Some examples of quantitative data include sales figures, email click-through rates, number of website visitors, and percentage revenue increase. Quantitative data analysis techniques focus on the statistical, mathematical, or numerical analysis of (usually large) datasets. This includes the manipulation of statistical data using computational techniques and algorithms. Quantitative analysis techniques are often used to explain certain phenomena or to make predictions.

Qualitative data cannot be measured objectively , and is therefore open to more subjective interpretation. Some examples of qualitative data include comments left in response to a survey question, things people have said during interviews, tweets and other social media posts, and the text included in product reviews. With qualitative data analysis, the focus is on making sense of unstructured data (such as written text, or transcripts of spoken conversations). Often, qualitative analysis will organize the data into themes—a process which, fortunately, can be automated.

Data analysts work with both quantitative and qualitative data , so it’s important to be familiar with a variety of analysis methods. Let’s take a look at some of the most useful techniques now.

3. Data analysis techniques

Now we’re familiar with some of the different types of data, let’s focus on the topic at hand: different methods for analyzing data. 

a. Regression analysis

Regression analysis is used to estimate the relationship between a set of variables. When conducting any type of regression analysis , you’re looking to see if there’s a correlation between a dependent variable (that’s the variable or outcome you want to measure or predict) and any number of independent variables (factors which may have an impact on the dependent variable). The aim of regression analysis is to estimate how one or more variables might impact the dependent variable, in order to identify trends and patterns. This is especially useful for making predictions and forecasting future trends.

Let’s imagine you work for an ecommerce company and you want to examine the relationship between: (a) how much money is spent on social media marketing, and (b) sales revenue. In this case, sales revenue is your dependent variable—it’s the factor you’re most interested in predicting and boosting. Social media spend is your independent variable; you want to determine whether or not it has an impact on sales and, ultimately, whether it’s worth increasing, decreasing, or keeping the same. Using regression analysis, you’d be able to see if there’s a relationship between the two variables. A positive correlation would imply that the more you spend on social media marketing, the more sales revenue you make. No correlation at all might suggest that social media marketing has no bearing on your sales. Understanding the relationship between these two variables would help you to make informed decisions about the social media budget going forward. However: It’s important to note that, on their own, regressions can only be used to determine whether or not there is a relationship between a set of variables—they don’t tell you anything about cause and effect. So, while a positive correlation between social media spend and sales revenue may suggest that one impacts the other, it’s impossible to draw definitive conclusions based on this analysis alone.

There are many different types of regression analysis, and the model you use depends on the type of data you have for the dependent variable. For example, your dependent variable might be continuous (i.e. something that can be measured on a continuous scale, such as sales revenue in USD), in which case you’d use a different type of regression analysis than if your dependent variable was categorical in nature (i.e. comprising values that can be categorised into a number of distinct groups based on a certain characteristic, such as customer location by continent). b. Monte Carlo simulation

When making decisions or taking certain actions, there are a range of different possible outcomes. If you take the bus, you might get stuck in traffic. If you walk, you might get caught in the rain or bump into your chatty neighbor, potentially delaying your journey. In everyday life, we tend to briefly weigh up the pros and cons before deciding which action to take; however, when the stakes are high, it’s essential to calculate, as thoroughly and accurately as possible, all the potential risks and rewards.

Monte Carlo simulation, otherwise known as the Monte Carlo method, is a computerized technique used to generate models of possible outcomes and their probability distributions. It essentially considers a range of possible outcomes and then calculates how likely it is that each particular outcome will be realized. The Monte Carlo method is used by data analysts to conduct advanced risk analysis, allowing them to better forecast what might happen in the future and make decisions accordingly.

So how does Monte Carlo simulation work, and what can it tell us? To run a Monte Carlo simulation, you’ll start with a mathematical model of your data—such as a spreadsheet. Within your spreadsheet, you’ll have one or several outputs that you’re interested in; profit, for example, or number of sales. You’ll also have a number of inputs; these are variables that may impact your output variable. If you’re looking at profit, relevant inputs might include the number of sales, total marketing spend, and employee salaries. If you knew the exact, definitive values of all your input variables, you’d quite easily be able to calculate what profit you’d be left with at the end. However, when these values are uncertain, a Monte Carlo simulation enables you to calculate all the possible options and their probabilities. What will your profit be if you make 100,000 sales and hire five new employees on a salary of $50,000 each? What is the likelihood of this outcome? What will your profit be if you only make 12,000 sales and hire five new employees? And so on. It does this by replacing all uncertain values with functions which generate random samples from distributions determined by you, and then running a series of calculations and recalculations to produce models of all the possible outcomes and their probability distributions. The Monte Carlo method is one of the most popular techniques for calculating the effect of unpredictable variables on a specific output variable, making it ideal for risk analysis.

 c. Factor analysis

Factor analysis is a technique used to reduce a large number of variables to a smaller number of factors. It works on the basis that multiple separate, observable variables correlate with each other because they are all associated with an underlying construct. This is useful not only because it condenses large datasets into smaller, more manageable samples, but also because it helps to uncover hidden patterns. This allows you to explore concepts that cannot be easily measured or observed—such as wealth, happiness, fitness, or, for a more business-relevant example, customer loyalty and satisfaction.

Let’s imagine you want to get to know your customers better, so you send out a rather long survey comprising one hundred questions. Some of the questions relate to how they feel about your company and product; for example, “Would you recommend us to a friend?” and “How would you rate the overall customer experience?” Other questions ask things like “What is your yearly household income?” and “How much are you willing to spend on skincare each month?”

Once your survey has been sent out and completed by lots of customers, you end up with a large dataset that essentially tells you one hundred different things about each customer (assuming each customer gives one hundred responses). Instead of looking at each of these responses (or variables) individually, you can use factor analysis to group them into factors that belong together—in other words, to relate them to a single underlying construct. In this example, factor analysis works by finding survey items that are strongly correlated. This is known as covariance . So, if there’s a strong positive correlation between household income and how much they’re willing to spend on skincare each month (i.e. as one increases, so does the other), these items may be grouped together. Together with other variables (survey responses), you may find that they can be reduced to a single factor such as “consumer purchasing power”. Likewise, if a customer experience rating of 10/10 correlates strongly with “yes” responses regarding how likely they are to recommend your product to a friend, these items may be reduced to a single factor such as “customer satisfaction”.

In the end, you have a smaller number of factors rather than hundreds of individual variables. These factors are then taken forward for further analysis, allowing you to learn more about your customers (or any other area you’re interested in exploring).

d. Cohort analysis

Cohort analysis is a data analytics technique that groups users based on a shared characteristic , such as the date they signed up for a service or the product they purchased. Once users are grouped into cohorts, analysts can track their behavior over time to identify trends and patterns.

So what does this mean and why is it useful? Let’s break down the above definition further. A cohort is a group of people who share a common characteristic (or action) during a given time period. Students who enrolled at university in 2020 may be referred to as the 2020 cohort. Customers who purchased something from your online store via the app in the month of December may also be considered a cohort.

With cohort analysis, you’re dividing your customers or users into groups and looking at how these groups behave over time. So, rather than looking at a single, isolated snapshot of all your customers at a given moment in time (with each customer at a different point in their journey), you’re examining your customers’ behavior in the context of the customer lifecycle. As a result, you can start to identify patterns of behavior at various points in the customer journey—say, from their first ever visit to your website, through to email newsletter sign-up, to their first purchase, and so on. As such, cohort analysis is dynamic, allowing you to uncover valuable insights about the customer lifecycle.

This is useful because it allows companies to tailor their service to specific customer segments (or cohorts). Let’s imagine you run a 50% discount campaign in order to attract potential new customers to your website. Once you’ve attracted a group of new customers (a cohort), you’ll want to track whether they actually buy anything and, if they do, whether or not (and how frequently) they make a repeat purchase. With these insights, you’ll start to gain a much better understanding of when this particular cohort might benefit from another discount offer or retargeting ads on social media, for example. Ultimately, cohort analysis allows companies to optimize their service offerings (and marketing) to provide a more targeted, personalized experience. e. Cluster analysis

Cluster analysis is an exploratory technique that seeks to identify structures within a dataset. The goal of cluster analysis is to sort different data points into groups (or clusters) that are internally homogeneous and externally heterogeneous. This means that data points within a cluster are similar to each other, and dissimilar to data points in another cluster. Clustering is used to gain insight into how data is distributed in a given dataset, or as a preprocessing step for other algorithms.

There are many real-world applications of cluster analysis. In marketing, cluster analysis is commonly used to group a large customer base into distinct segments, allowing for a more targeted approach to advertising and communication. Insurance firms might use cluster analysis to investigate why certain locations are associated with a high number of insurance claims. Another common application is in geology, where experts will use cluster analysis to evaluate which cities are at greatest risk of earthquakes (and thus try to mitigate the risk with protective measures).

It’s important to note that, while cluster analysis may reveal structures within your data, it won’t explain why those structures exist. With that in mind, cluster analysis is a useful starting point for understanding your data and informing further analysis. f. Time series analysis

Time series analysis is a statistical technique used to identify trends and cycles over time. Time series data is a sequence of data points which measure the same variable at different points in time (for example, weekly sales figures or monthly email sign-ups). By looking at time-related trends, analysts are able to forecast how the variable of interest may fluctuate in the future.

When conducting time series analysis, the main patterns you’ll be looking out for in your data are:

  • Trends: Stable, linear increases or decreases over an extended time period.
  • Seasonality: Predictable fluctuations in the data due to seasonal factors over a short period of time. For example, you might see a peak in swimwear sales in summer around the same time every year.
  • Cyclic patterns: Unpredictable cycles where the data fluctuates. Cyclical trends are not due to seasonality, but rather, may occur as a result of economic or industry-related conditions.

As you can imagine, the ability to make informed predictions about the future has immense value for business. Time series analysis and forecasting is used across a variety of industries, most commonly for stock market analysis, economic forecasting, and sales forecasting. There are different types of time series models depending on the data you’re using and the outcomes you want to predict. These models are typically classified into three broad types: the autoregressive (AR) models, the integrated (I) models, and the moving average (MA) models. g. Sentiment analysis

When you think of data, your mind probably automatically goes to numbers and spreadsheets.

Many companies overlook the value of qualitative data, but in reality, there are untold insights to be gained from what people (especially customers) write and say about you. So how do you go about analyzing textual data?

One highly useful qualitative technique is sentiment analysis , a technique which belongs to the broader category of text analysis —the (usually automated) process of sorting and understanding textual data.

With sentiment analysis, the goal is to interpret and classify the emotions conveyed within textual data. From a business perspective, this allows you to ascertain how your customers feel about various aspects of your brand, product, or service.

There are several different types of sentiment analysis models, each with a slightly different focus. The three main types include:

Fine-grained sentiment analysis

If you want to focus on opinion polarity (i.e. positive, neutral, or negative) in depth, fine-grained sentiment analysis will allow you to do so.

For example, if you wanted to interpret star ratings given by customers, you might use fine-grained sentiment analysis to categorize the various ratings along a scale ranging from very positive to very negative.

Emotion detection

This model often uses complex machine learning algorithms to pick out various emotions from your textual data.

You might use an emotion detection model to identify words associated with happiness, anger, frustration, and excitement, giving you insight into how your customers feel when writing about you or your product on, say, a product review site.

Aspect-based sentiment analysis

This type of analysis allows you to identify what specific aspects the emotions or opinions relate to, such as a certain product feature or a new ad campaign.

If a customer writes that they “find the new Instagram advert so annoying”, your model should detect not only a negative sentiment, but also the object towards which it’s directed.

In a nutshell, sentiment analysis uses various Natural Language Processing (NLP) algorithms and systems which are trained to associate certain inputs (for example, certain words) with certain outputs.

For example, the input “annoying” would be recognized and tagged as “negative”. Sentiment analysis is crucial to understanding how your customers feel about you and your products, for identifying areas for improvement, and even for averting PR disasters in real-time!

4. The data analysis process

In order to gain meaningful insights from data, data analysts will perform a rigorous step-by-step process. We go over this in detail in our step by step guide to the data analysis process —but, to briefly summarize, the data analysis process generally consists of the following phases:

Defining the question

The first step for any data analyst will be to define the objective of the analysis, sometimes called a ‘problem statement’. Essentially, you’re asking a question with regards to a business problem you’re trying to solve. Once you’ve defined this, you’ll then need to determine which data sources will help you answer this question.

Collecting the data

Now that you’ve defined your objective, the next step will be to set up a strategy for collecting and aggregating the appropriate data. Will you be using quantitative (numeric) or qualitative (descriptive) data? Do these data fit into first-party, second-party, or third-party data?

Cleaning the data

Unfortunately, your collected data isn’t automatically ready for analysis—you’ll have to clean it first. As a data analyst, this phase of the process will take up the most time. During the data cleaning process, you will likely be:

  • Removing major errors, duplicates, and outliers
  • Removing unwanted data points
  • Structuring the data—that is, fixing typos, layout issues, etc.
  • Filling in major gaps in data

Analyzing the data

Now that we’ve finished cleaning the data, it’s time to analyze it! Many analysis methods have already been described in this article, and it’s up to you to decide which one will best suit the assigned objective. It may fall under one of the following categories:

  • Descriptive analysis , which identifies what has already happened
  • Diagnostic analysis , which focuses on understanding why something has happened
  • Predictive analysis , which identifies future trends based on historical data
  • Prescriptive analysis , which allows you to make recommendations for the future

Visualizing and sharing your findings

We’re almost at the end of the road! Analyses have been made, insights have been gleaned—all that remains to be done is to share this information with others. This is usually done with a data visualization tool, such as Google Charts, or Tableau.

This is an example of a tabular presentation of data on Google Sheets. Each row and column has an attribute (year, region, revenue, etc.), and you can do a custom format to see the change in revenue throughout the year.

When presenting data as text, all you do is write your findings down in paragraphs and bullet points, and that’s it. A piece of cake to you, a tough nut to crack for whoever has to go through all of the reading to get to the point.

A pie chart (or a ‘donut chart’ if you stick a hole in the middle of it) is a circle divided into slices that show the relative sizes of data within a whole. If you’re using it to show percentages, make sure all the slices add up to 100%.

Instead of measuring categories like weather preferences or favourite films as a bar chart does, a histogram only measures things that can be put into numbers.

A pictogram graph uses pictures or icons relating to the main topic to visualise a small dataset. The fun combination of colours and illustrations makes it a frequent use at schools.

A heat map represents data density in colours. The bigger the number, the more colour intense that data will be represented.

Most U.S citizens would be familiar with this data presentation method in geography. For elections, many news outlets assign a specific colour code to a state, with blue representing one candidate and red representing the other. The shade of either blue or red in each state shows the strength of the overall vote in that state.

Another great thing you can use a heat map for is to map what visitors to your site click on. The more a particular section is clicked the ‘hotter’ the colour will turn, from blue to bright yellow to red.

If you present your data in dots instead of chunky bars, you’ll have a scatter plot. 

A scatter plot is a grid with several inputs showing the relationship between two variables. It’s good at collecting seemingly random data and revealing some telling trends.

For example, in this graph, each dot shows the average daily temperature versus the number of beach visitors across several days. You can see that the dots get higher as the temperature increases, so it’s likely that hotter weather leads to more visitors.

5 Data Presentation Mistakes to Avoid

#1 – assume your audience understands what the numbers represent.

You may know all the behind-the-scenes of your data since you’ve worked with them for weeks, but your audience doesn’t.

Showing without telling only invites more and more questions from your audience, as they have to constantly make sense of your data, wasting the time of both sides as a result.

While showing your data presentations, you should tell them what the data are about before hitting them with waves of numbers first. You can use interactive activities such as polls , word clouds , online quiz and Q&A sections , combined with icebreaker games , to assess their understanding of the data and address any confusion beforehand.

#2 – Use the wrong type of chart

Charts such as pie charts must have a total of 100% so if your numbers accumulate to 193% like this example below, you’re definitely doing it wrong.

Before making a chart, ask yourself: what do I want to accomplish with my data? Do you want to see the relationship between the data sets, show the up and down trends of your data, or see how segments of one thing make up a whole?

Remember, clarity always comes first. Some data visualisations may look cool, but if they don’t fit your data, steer clear of them. 

#3 – Make it 3D

3D is a fascinating graphical presentation example. The third dimension is cool, but full of risks.

#5 – Bombard the audience with too much information

The goal of data presentation is to make complex topics much easier to understand, and if you’re bringing too much information to the table, you’re missing the point.

Skills for Learning : Research Skills

Data analysis is an ongoing process that should occur throughout your research project. Suitable data-analysis methods must be selected when you write your research proposal. The nature of your data (i.e. quantitative or qualitative) will be influenced by your research design and purpose. The data will also influence the analysis methods selected.

Quantitative data analysis

Broadly speaking, 'statistics' refers to methods, tools and techniques used to collect, organise and interpret data. The goal of statistics is to gain understanding from data. Therefore, you need to know how to:

  • Produce data – for example, by handing out a questionnaire or doing an experiment.
  • Organise, summarise, present and analyse data.
  • Draw valid conclusions from findings.

There are a number of statistical methods you can use to analyse data. Choosing an appropriate statistical method should follow naturally, however, from your research design. Therefore, you should think about data analysis at the early stages of your study design. You may need to consult a statistician for help with this.

Tips for working with statistical data

  • Plan so that the data you get has a good chance of successfully tackling the research problem. This will involve reading literature on your subject, as well as on what makes a good study.
  • To reach useful conclusions, you need to reduce uncertainties or 'noise'. Thus, you will need a sufficiently large data sample. A large sample will improve precision. However, this must be balanced against the 'costs' (time and money) of collection.
  • Consider the logistics. Will there be problems in obtaining sufficient high-quality data? Think about accuracy, trustworthiness and completeness.
  • Statistics are based on random samples. Consider whether your sample will be suited to this sort of analysis. Might there be biases to think about?
  • How will you deal with missing values (any data that is not recorded for some reason)? These can result from gaps in a record or whole records being missed out.
  • When analysing data, start by looking at each variable separately. Conduct initial/exploratory data analysis using graphical displays. Do this before looking at variables in conjunction or anything more complicated. This process can help locate errors in the data and also gives you a 'feel' for the data.
  • Look out for patterns of 'missingness'. They are likely to alert you if there’s a problem. If the 'missingness' is not random, then it will have an impact on the results.
  • Be vigilant and think through what you are doing at all times. Think critically. Statistics are not just mathematical tricks that a computer sorts out. Rather, analysing statistical data is a process that the human mind must interpret!

Top tips! Try inventing or generating the sort of data you might get and see if you can analyse it. Make sure that your process works before gathering actual data. Think what the output of an analytic procedure will look like before doing it for real.

(Note: it is actually difficult to generate realistic data. There are fraud-detection methods in place to identify data that has been fabricated. So, remember to get rid of your practice data before analysing the real stuff!)

Statistical software packages

Software packages can be used to analyse and present data. The most widely used ones are SPSS and NVivo.

SPSS is a statistical-analysis and data-management package for quantitative data analysis. Click on ‘ How do I install SPSS? ’ to learn how to download SPSS to your personal device. SPSS can perform a wide variety of statistical procedures. Some examples are:

  • Data management (i.e. creating subsets of data or transforming data).
  • Summarising, describing or presenting data (i.e. mean, median and frequency).
  • Looking at the distribution of data (i.e. standard deviation).
  • Comparing groups for significant differences using parametric (i.e. t-test) and non-parametric (i.e. Chi-square) tests.
  • Identifying significant relationships between variables (i.e. correlation).

NVivo can be used for qualitative data analysis. It is suitable for use with a wide range of methodologies. Click on ‘ How do I access NVivo ’ to learn how to download NVivo to your personal device. NVivo supports grounded theory, survey data, case studies, focus groups, phenomenology, field research and action research.

  • Process data such as interview transcripts, literature or media extracts, and historical documents.
  • Code data on screen and explore all coding and documents interactively.
  • Rearrange, restructure, extend and edit text, coding and coding relationships.
  • Search imported text for words, phrases or patterns, and automatically code the results.

Qualitative data analysis

Miles and Huberman (1994) point out that there are diverse approaches to qualitative research and analysis. They suggest, however, that it is possible to identify 'a fairly classic set of analytic moves arranged in sequence'. This involves:

  • Affixing codes to a set of field notes drawn from observation or interviews.
  • Noting reflections or other remarks in the margins.
  • Sorting/sifting through these materials to identify: a) similar phrases, relationships between variables, patterns and themes and b) distinct differences between subgroups and common sequences.
  • Isolating these patterns/processes and commonalties/differences. Then, taking them out to the field in the next wave of data collection.
  • Highlighting generalisations and relating them to your original research themes.
  • Taking the generalisations and analysing them in relation to theoretical perspectives.

Patterns and generalisations are usually arrived at through a process of analytic induction (see above points 5 and 6). Qualitative analysis rarely involves statistical analysis of relationships between variables. Qualitative analysis aims to gain in-depth understanding of concepts, opinions or experiences.

Presenting information

There are a number of different ways of presenting and communicating information. The particular format you use is dependent upon the type of data generated from the methods you have employed.

Here are some appropriate ways of presenting information for different types of data:

Bar charts: These   may be useful for comparing relative sizes. However, they tend to use a large amount of ink to display a relatively small amount of information. Consider a simple line chart as an alternative.

Pie charts: These have the benefit of indicating that the data must add up to 100%. However, they make it difficult for viewers to distinguish relative sizes, especially if two slices have a difference of less than 10%.

Other examples of presenting data in graphical form include line charts and  scatter plots .

Qualitative data is more likely to be presented in text form. For example, using quotations from interviews or field diaries.

  • Plan ahead, thinking carefully about how you will analyse and present your data.
  • Think through possible restrictions to resources you may encounter and plan accordingly.
  • Find out about the different IT packages available for analysing your data and select the most appropriate.
  • If necessary, allow time to attend an introductory course on a particular computer package. You can book SPSS and NVivo workshops via MyHub .
  • Code your data appropriately, assigning conceptual or numerical codes as suitable.
  • Organise your data so it can be analysed and presented easily.
  • Choose the most suitable way of presenting your information, according to the type of data collected. This will allow your information to be understood and interpreted better.

Primary, secondary and tertiary sources

Information sources are sometimes categorised as primary, secondary or tertiary sources depending on whether or not they are ‘original’ materials or data. For some research projects, you may need to use primary sources as well as secondary or tertiary sources. However the distinction between primary and secondary sources is not always clear and depends on the context. For example, a newspaper article might usually be categorised as a secondary source. But it could also be regarded as a primary source if it were an article giving a first-hand account of a historical event written close to the time it occurred.

  • Grey literature

Primary sources are original sources of information that provide first-hand accounts of what is being experienced or researched. They enable you to get as close to the actual event or research as possible. They are useful for getting the most contemporary information about a topic.

Examples include diary entries, newspaper articles, census data, journal articles with original reports of research, letters, email or other correspondence, original manuscripts and archives, interviews, research data and reports, statistics, autobiographies, exhibitions, films, and artists' writings.

Some information will be available on an Open Access basis, freely accessible online. However, many academic sources are paywalled, and you may need to login as a Leeds Beckett student to access them. Where Leeds Beckett does not have access to a source, you can use our  Request It! Service .

Secondary sources interpret, evaluate or analyse primary sources. They're useful for providing background information on a topic, or for looking back at an event from a current perspective. The majority of your literature searching will probably be done to find secondary sources on your topic.

Examples include journal articles which review or interpret original findings, popular magazine articles commenting on more serious research, textbooks and biographies.

The term tertiary sources isn't used a great deal. There's overlap between what might be considered a secondary source and a tertiary source. One definition is that a tertiary source brings together secondary sources.

Examples include almanacs, fact books, bibliographies, dictionaries and encyclopaedias, directories, indexes and abstracts. They can be useful for introductory information or an overview of a topic in the early stages of research.

Depending on your subject of study, grey literature may be another source you need to use. Grey literature includes technical or research reports, theses and dissertations, conference papers, government documents, white papers, and so on.

Artificial intelligence tools

Before using any generative artificial intelligence or paraphrasing tools in your assessments, you should check if this is permitted on your course.

If their use is permitted on your course, you must  acknowledge any use of generative artificial intelligence tools  such as ChatGPT or paraphrasing tools (e.g., Grammarly, Quillbot, etc.), even if you have only used them to generate ideas for your assessments or for proofreading.

Data Analysis and Presentation Techniques that Apply to both Survey and Interview Research

  • Create a documentation of the data and the process of data collection.
  • Analyze the data rather than just describing it - use it to tell a story that focuses on answering the research question.
  • Use charts or tables to help the reader understand the data and then highlight the most interesting findings.
  • Don’t get bogged down in the detail - tell the reader about the main themes as they relate to the research question, rather than reporting everything that survey respondents or interviewees said.
  • State that ‘most people said …’ or ‘few people felt …’ rather than giving the number of people who said a particular thing.
  • Use brief quotes where these illustrate a particular point really well.
  • Respect confidentiality - you could attribute a quote to 'a faculty member', ‘a student’, or 'a customer' rather than ‘Dr. Nicholls.'

Survey Data Analysis

  • If you used an online survey, the software will automatically collate the data – you will just need to download the data, for example as a spreadsheet.
  • If you used a paper questionnaire, you will need to manually transfer the responses from the questionnaires into a spreadsheet.  Put each question number as a column heading, and use one row for each person’s answers.  Then assign each possible answer a number or ‘code’.
  • When all the data is present and correct, calculate how many people selected each response.
  • Once you have calculated how many people selected each response, you can set up tables and/or graph to display the data.  This could take the form of a table or chart.
  • In addition to descriptive statistics that characterize findings from your survey, you can use statistical and analytical reporting techniques if needed.

Interview Data Analysis

  • Data Reduction and Organization: Try not to feel overwhelmed by quantity of information that has been collected from interviews- a one-hour interview can generate 20 to 25 pages of single-spaced text.   Once you start organizing your fieldwork notes around themes, you can easily identify which part of your data to be used for further analysis.

  • Was there anything else that struck you as salient, interesting, illuminating or important in this contact / interviewee? 
  • What information did you get (or failed to get) on each of the target questions you had for this contact / interviewee?
  • Connection of the data: You can connect data around themes and concepts - then you can show how one concept may influence another.
  • Examination of Relationships: Examining relationships is the centerpiece of the analytic process, because it allows you to move from simple description of the people and settings to explanations of why things happened as they did with those people in that setting.

This chapter covers the topics of data collection, data presentation and data analysis. How to Learn Data Analytics

Do you get excited by numbers? Do you see stories hidden in data? If so, learning data analysis could be a game-changer for your career. It certainly was for me.

When I first dove into data analysis, I was a high school math teacher with a passion for numbers but little knowledge of modern data tools. I tried to learn everything at once - Python, R, SQL, Tableau. It was overwhelming and my progress was slow.

However, everything changed when I started focusing on real-world projects. Applying data skills to tangible problems reignited my interest. That shift from teaching to hands-on data analytics transformed my career. I got to work as a data analyst across industries and share my knowledge with eager learners.

This guide will help you navigate how to learn data analysis efficiently. We'll cut through the jargon and focus on practical data analyst skills you can start applying quickly. Let's get started!

Why learn data analysis?

The ability to analyze and interpret data is becoming an increasingly valuable skill. In fact, the U.S. Bureau of Labor Statistics projects an impressive 25% growth in data analyst positions by 2030. * This rapid expansion highlights the growing demand for data analysis capabilities across industries.

So, what does this mean for you? For starters, pursuing data analytics jobs can open doors to significant financial benefits. Entry-level data analysts earn an average annual salary of $72,887, with lots of room for growth as you gain experience.

But the benefits extend beyond just a paycheck. Data analysis skills are incredibly versatile and can be applied to solve real-world problems in virtually any field.

Take the business world, for example. Companies rely on tools like Python to analyze sales trends, which directly informs critical decisions such as inventory management. * By learning data analysis, you'll position yourself as a valuable asset in shaping data-informed strategies.

Here's the bottom line: Many data analysis learning resources focus too much on syntax and basic concepts without giving you enough real-world practice. And that's a problem if you want to land a data job.

Think about it this way. Let's say you try to learn data analysis using online resources that rely heavily on "fill in the blank" type exercises. You might get really good at memorizing the right syntax to use. But are you truly learning how to write code from scratch to solve real problems? Probably not.

That's exactly what happened to me when I first tried learning data analysis. I spent a lot of time on tutorials that had me filling in missing syntax keywords instead of writing an entire program or query myself. In the end, I couldn't really construct my own code reliably. All that time felt wasted, and it was frustrating!

The dangers of learning skills in isolation

Another issue is that many courses only teach you individual tools and techniques. They don't show you how to combine your skills to tackle realistic scenarios. But real-world data analysis is all about critical thinking and problem-solving.

For example, things like spotting biases in data or handling ethical dilemmas often get overlooked in data tutorials. But those "soft skills" are super important for doing data analysis responsibly on the job.

The takeaway is this: To develop well-rounded data skills, you need that practical experience. Luckily, great options exist to help you learn data analysis the right way, so let's take a look at what those options are.

There are literally hundreds of tools available for data analytics (SQL, Python, R, Excel, Power BI, Tableau, Hadoop, Spark, SAS, etc.), but learning all of them would take forever and, ultimately, be a waste of time because no one needs to know them all.

So what should you focus on first? Here are the core competencies every aspiring data analyst should prioritize:

  • Statistics to understand and apply data modeling techniques

When I was learning data analysis I found a Python meetup group that met every Sunday. The group helped me stay consistent with my practice, and the members were a great resource when I got stuck on my projects.

2020 RECS Consumption and Expenditures Data : 2020 RECS end-use consumption and expenditures tables are now available

The final set of consumption and expenditures tables are now available. These tables include estimates of energy consumption and expenditures by end use (for example, air conditioning and water heating). This final data release also includes a final version of the public-use microdata file containing consumption, expenditures, and end-use data as well as additional technical documentation .

Our first set of consumption and expenditures tables are now available. This release features, for the first time ever, household consumption and expenditures estimates for all 50 states and the District of Columbia. The 18 tables in this release include total consumption, total expenditures, and energy-intensity estimates for electricity, natural gas, propane, and fuel oil.

Additional tables with estimates of energy consumption and expenditures by end use (for example, air conditioning and water heating); a final public-use microdata file containing consumption, expenditures, and end-use data; and additional documentation will be released in June 2023.

2020 RECS Final Housing Characteristics and Square Footage data are now available

Release Date: March 8, 2023

The final public-use housing characteristics microdata file and tables are available. This release includes data on square footage. The microdata file and tables contain results from nearly 18,500 households, the largest responding sample in program history. Multifamily Building Study (MBS) Pilot: Report on methods, findings, and lessons learned

Release Date: December 7, 2022

From July through October 2021, we fielded a multifamily building study pilot to assess the feasibility of collecting data on the characteristics of multiunit residential buildings, such as apartments, condominiums, and co-ops. The target population was multifamily and multifamily mixed-use buildings that were more than 50% residential by floorspace or square footage and that contained five or more residential units. This report outlines the pilot objectives, design, results, and analysis and shares lessons learned for a potential future study.

Introduction

The long case is used to assess medical students’ proficiency in performing clinical tasks. As a formative assessment, the purpose is to offer feedback on performance, aiming to enhance and expedite clinical learning. The long case stands out as one of the primary formative assessment methods for clinical clerkship in low-resource settings but has received little attention in the literature.

To explore the experiences of medical students and faculty regarding the use of the Long Case Study as a formative assessment method at a tertiary care teaching hospital in a low-resource setting.

Methodology

A qualitative study design was used. The study was conducted at Makerere University, a low-resource setting. The study participants were third- and fifth-year medical students as well as lecturers. Purposive sampling was utilized to recruit participants. Data collection comprised six Focus Group Discussions with students and five Key Informant Interviews with lecturers. The qualitative data were analyzed by inductive thematic analysis.

Three themes emerged from the study: ward placement, case presentation, and case assessment and feedback. The findings revealed that students conduct their long cases at patients’ bedside within specific wards/units assigned for the entire clerkship. Effective supervision, feedback, and marks were highlighted as crucial practices that positively impact the learning process. However, challenges such as insufficient orientation to the long case, the super-specialization of the hospital wards, pressure to hunt for marks, and inadequate feedback practices were identified.

The long case offers students exposure to real patients in a clinical setting. However, in tertiary care teaching hospitals, it’s crucial to ensure proper design and implementation of this practice to enable students’ exposure to a variety of cases. Adequate and effective supervision and feedback create valuable opportunities for each learner to present cases and receive corrections.

Peer Review reports

The long case serves as an authentic assessment method for evaluating medical students’ competence in clinical tasks [ 1 ]. This form of assessment requires students to independently spend time with patients taking their medical history, conducting physical examinations, and formulating diagnosis and management plans. Subsequently, students present their findings to senior clinicians for discussion and questioning [ 2 , 3 ]. While developed countries increasingly adopt simulation-based assessments for formative evaluation, logistical challenges hinder the widespread use of such methods in developing countries [ 4 ]. Consequently, the low-resource countries heavily rely on real patient encounters for formative assessment. The long case is one such method predominantly used as a primary formative assessment method during clinical clerkship and offers a great opportunity for feedback [ 5 ]. The assessment grounds students’ learning into practice by providing them with rich opportunities to interact with patients and have the feel of medical practice. The long case thus bridges the gap between theory and practice, immersing students in the real tasks of a physician [ 1 ]. The complexity of clinical scenarios and the anxiety associated with patient encounters may not be well replicated in simulation-based assessments because diseases often have atypical presentations not found in textbooks. Assessment methods should thus utilize authentic learning experiences to provide learners with applications of learning that they would expect to encounter in real life [ 6 ]. This requires medical education and the curriculum to focus attention on assessment because it plays a significant role in driving learning [ 7 ]. The long case thus remains crucial in medical education as one of the best ways of preparing for practice. It exposes the student repeatedly to taking medical history, examining patients, making clinical judgments, deciding treatment plans, and collaborating with senior clinicians.

The long case, however, has faced significant criticism in the medical education literature due to perceived psychometric deficiencies [ 8 , 9 , 10 ]. Consequently, many universities have begun to adopt assessment methods that yield more reliable and easily defensible results [ 2 ] due to concerns over the low reliability, generalizability, and validity of the long case, coupled with rising litigations and student appeals [ 11 , 12 ]. Despite these shortcomings, the long case remains an educationally valuable assessment tool that provides diagnostic feedback essential for the learning process during clinical clerkship [ 13 ]. Teachers can utilize long-case results to pinpoint neglected areas or teaching deficiencies and align with course outcomes.

However, there is a paucity of research into the long case as a formative assessment tool. A few studies conducted in developed countries highlighted its role in promoting a holistic approach to patient care, fostering students’ clinical skills, and a driving force for students to spend time with patients [ 2 , 13 ], . There is a notable absence of literature on the use of long case as a formative assessment method in low-resource countries, and no published work is available at Makerere University where it has been used for decades. This underscores the importance of conducting research in this area to provide insight into the effectiveness, challenges, and potentials for improvement. Therefore, this study aimed to investigate the experiences of medical students and faculty regarding the utilization of the long case as a formative assessment method within the context of a tertiary care teaching hospital in a low-resource setting.

Study design

This was an exploratory qualitative study.

Study setting

The research was conducted at Makerere University within the Department of Internal Medicine. The Bachelor of Medicine and Bachelor of Surgery (MBChB) degree at Makerere University is a five-year program with the first two years for pre-clinical (biomedical Sciences) course and the last three years dedicated to clinical clerkship. Medical students do Internal Medicine clerkships in third- and fifth-year at the two tertiary teaching hospitals namely; Mulago and Kiruddu National Referral Hospitals. The students are introduced to the long case in third-year as Junior Clerks and later in the fifth-year as Senior Clerks. During clerkship, students are assigned to various medical wards, where they interact with patients, take medical history from them, perform physical examinations, and develop diagnosis and management plans. Subsequently, students present their long cases to lecturers or postgraduate students, often in the presence of their peers, followed by feedback and comprehensive case discussions. Students are afforded ample time to prepare and present their cases during ward rounds, at their discretion. The students are formatively assessed and a mark is awarded on a scale of one to ten in the student’s logbook. Each student is required to make a minimum of ten long cases over the seven weeks of clerkship.

Study participants

The study participants were third- and fifth-year medical students who had completed junior and senior clerkship respectively, as well as lecturers who possessed at least five years of experience with the long case. The participants were selected through purposive sampling. The sample size for the study was determined by data saturation.

Data collection

Data were collected through Focus Group Discussions (FGDs) and Key Informant Interviews (KIIs). A total of 36 medical students participated in FGDs, reflecting on their experiences with the long case. Five faculty members participated in individual KIIs. The students were mobilized by their class representative and a brief recruitment presentation was made at the study site while the lecturers were approached via email and telephone invitation.

Six FGDs were conducted, three for junior clerks and three for senior clerks. Each FGD comprised of 5–7 participants with balanced male and female gender representation. Data saturation was achieved by the fifth FGD, at which point no additional new information emerged. A research assistant proficient in qualitative research methods moderated the FGDs. The discussions lasted between 55 min and 1 h 10 min and were audio recorded. The Principal Investigator attended all the FGDs to document interactions and record his perspectives and non-verbal cues of participants.

Semi-structured KIIs were used to collect data from Internal Medicine faculty. Five KIIs were conducted, and data saturation was achieved by the fourth interview, at which point no new theme emerged. The Principal Investigator conducted the KIIs via Zoom. Each interview lasted between 25 and 50 min and all were audio recorded. A research assistant proficient in qualitative methods attended all the Zoom meetings. The data collected were securely stored on a hard drive and Google Drive with password protection to prevent unauthorized access.

Data analysis

Data analysis was done through inductive thematic analysis method. Following each FGD or KII session, the data collection team listened to the recordings to familiarize themselves with the data and develop general ideas regarding the participants’ perspectives. The data were transcribed verbatim by the researchers to generate text data. Two separate transcripts were generated by the Principal Investigator and a research assistant. The transcripts were then compared and manually reviewed by the research team to compare the accuracy with the audio recordings. After transcript harmonization, data cleaning was done for both FGDs and KIIs transcripts.

The transcribed data from both FGDs and KIIs underwent inductive thematic analysis as aggregated data. This involved initial line-by-line coding, followed by focused coding where the relationships between initial codes were explored and similar codes were grouped. Throughout the analysis, the principle of constant comparison was applied, where emerging codes were compared for similarities and differences.

Study results

Socio-demographics.

A total of 36 medical students participated in the FGDs, comprising 18 junior clerks and 19 senior clerks. The participants were aged between 21 and 25 years except two participants who were aged above 25 (30 and 36 years old). Among the third-year students, there were 10 male and 9 female participants while the fifth-year student comprised of 8 male and 10 female participants.

Five lecturers participated in the Key Informant Interviews, three of whom were females and two male participants. They were aged between 40 and 50 years, and all had over 10 years of experience with the long case. The faculty members included one consultant physician, one associate professor, two senior lecturers, and one lecturer.

Themes that emerged

Three themes emerged from the study: ward placement, case presentations, and case assessment and feedback.

Theme 1: Ward placement

The study findings disclosed that medical students are assigned to specific wards for the duration of their clerkship. The specialization of medical wards was found to significantly restrict students’ exposure to limited disease conditions found only in their allocated ward.

With the super-specialization of the units, there is some bias on what they do learn; if a particular group is rotating on the cardiology unit, they will obviously have a bias to learn the history and physical exam related to cardiovascular disease (KII 1).

The students, particularly junior clerks, expressed dissatisfaction with the lack of proper and standardized orientation to the long case on the wards. This deficiency led to wastage of time and a feeling of being unwelcome in the clerkship.

Some orient you when you reach the ward but others you reach and you are supposed to pick up on your own. I expect orientation, then taking data from us, what they expect us to do, and what we expect from them, taking us through the clerkship sessions (FGD 4 Participant 1).

Students’ exposure to cases in other wards poses significant challenges; the study found that as some lecturers facilitate visits to different wards for scheduled teaching sessions, others don’t, resulting in missed learning opportunities. Additionally, some lecturers leave the burden on students’ personal initiative to explore cases in other wards.

We actually encourage them to go through the different specialties because when you are faced with a patient, you will not have to choose which one to see and not to see (KII 4).

Imagine landing on a stroke patient when you have been in the infectious disease ward or getting a patient with renal condition when you have been in the endocrinology ward can create problems (FGD 6 Participant 3).

Theme 2 Case presentation

Medical students present their long case to lecturers and postgraduate students. However, participants revealed variations among lecturers regarding their preferences on how they want students to present their cases. While some prefer to listen to the entire history and examination, others prefer only a summary, and some prefer starting from the diagnosis.

The practice varies depending on the lecturer, as everyone does it their own way. There are some, who listen to your history, examination, and diagnosis, and then they go into basic discussion of the case; others want only a summary. Some lecturers come and tell you to start straight away from your diagnosis, and then they start treating you backward (FGD 6 Participant 3).

The students reported limited observation of their skills due a little emphasis placed by examiners on physical examination techniques, as well as not providing the students with the opportunity to propose treatment plans.

When we are doing these physical examinations on the ward no one is seeing you. You present your physical examination findings, but no one saw how you did it. You may think you are doing the right thing during the ward rotations, but actually your skills are bad (FGD 4 Participant 6).

They don’t give us time to propose management plans. The only time they ask for how you manage a patient is during the summative long case, yet during the ward rotation, they were not giving us the freedom to give our opinion on how we would manage the patient.(FGD 2Participant 6).

Supervision was reportedly dependent on the ward to which the student was allocated. Additionally, the participants believe that the large student-to-lecturer ratio negatively affects the opportunity to present.

My experience was different in years three and five. In year three, we had a specialist every day on the ward, but in year five, we would have a specialist every other day, sometimes even once a week. When I compare year five with year three, I think I was even a better doctor in year three than right now (FGD 1 Participant 1).

Clinical training is like nurturing somebody to behave or conduct themselves in a certain way. Therefore, if the numbers are large, the impacts per person decrease, and the quality decreases (KII 5).

Theme C: Case assessment and feedback

The study found that a student’s long case is assessed both during the case presentation on the ward and through the case write-up, with marks awarded accordingly.

They present to the supervisor and then also write it up, so at a later time you also mark the sheet where they have written up the cases; so they are assessed at presentation and write up (KII 2).

The mark awarded was reportedly a significant motivator for students to visit wards and clerk patients, but students also believe that the pressure to hunt for marks tends to override the goal of the formative assessment.

Your goal there is to learn, but most of us go with the goal of getting signatures; signature-based learning. The learning, you realize probably comes on later if you have the individual morale to go and learn (FGD 1 participant 1).

Feedback is an integral part of any formative assessment. While students receive feedback from lecturers, the participants were concerned about the absence of a formal channel for soliciting feedback from students.

Of course, teachers provide feedback to students because it is a normal part of teaching. However, it is not a common routine to solicit feedback about how teaching has gone. So maybe that is something that needs to be improved so that we know if we have been effective teachers (KII 3).

Whereas the feedback intrigues students to read more to compensate for their knowledge gap, they decried several encounters with demeaning, intimidating, insulting, demotivating, and embarrassing feedback from assessors.

Since we are given a specific target of case presentation we are supposed to make in my training , if I make the ten, I wouldn’t want to present again. Why would I receive other negative comments for nothing? They truly have a personality effect on the student, and students feel low self-esteem (FGD 1, Participant 4).

This study aimed to investigate the experiences of medical students and faculty regarding the use of the long case as a formative assessment method at a tertiary care teaching hospital in a low-resource setting. This qualitative research provides valuable insights into the current practices surrounding the long case as a formative assessment method in such a setting.

The study highlighted the patient bedside as the primary learning environment for medical students. Bedside teaching plays a crucial role in fostering the development of skills such as history-taking and physical examination, as well as modeling professional behaviors and directly observing learners [ 14 , 15 ]. However, the specialization of wards in tertiary hospitals means that students may not be exposed to certain conditions found in other wards. This lack of exposure can lead to issues of case specificity, which has been reported in various literature as a cause of low reliability and generalizability of the long case [ 16 , 17 ]. Participants in the study expressed feeling like pseudo-specialists based on their ward allocations. This is partly attributed to missing scheduled teachings and poor management of opportunities to clerk and present patients on other wards. Addressing these challenges is essential for enhancing the effectiveness of the long case as a formative assessment method in medical education.

Proper orientation at the beginning of a clerkship is crucial for clarifying the structure and organization, defining students’ roles, and providing insights into clinical supervisors’ perspectives [ 18 ]. However, the study revealed that orientation into the long case was unsatisfactory, resulting in time wastage and potentially hindering learning. Effective orientation requires dedicated time and should involve defining expectations and goals, as well as guiding students through the steps of history-taking and physical examination during the initial weeks of the rotation. Contrary to this ideal approach, the medical students reported being taken through systemic examinations when the clerkship was nearing its end, highlighting a significant gap in the orientation process. Proper orientation is very important since previous studies have also documented the positive impact of orientation on student performance [ 19 ]. Therefore, addressing the shortcomings in orientation practices identified in this study is essential for optimizing learning outcomes and ensuring that students are adequately prepared to engage in the long case.

There was reportedly a significant variation in the way students present their long cases, with some lecturers preferring only a case summary, while others expect a complete presentation or begin with a diagnosis. While this diversity in learning styles may expose students to both familiar and unfamiliar approaches, providing a balance of comfort and tension [ 20 ], it’s essential for students to first be exposed to familiar methods before transitioning to less familiar ones to expand their ability to use diverse learning styles. The variation observed in this context may be attributed to time constraints, as lecturers may aim to accommodate the large number of students within the available time. Additionally, a lack of standardized practices could also contribute to this variation. Therefore, there is a pressing need for standardized long-case practices to ensure a consistent experience for students and to meet the desired goals of the assessment. Standardizing the long case practice would not only provide a uniform experience for students but also enhance the reliability, validity, and perception of fairness of the assessment [ 9 , 21 ]. It would ensure that all students are evaluated using the same criteria, reducing potential biases and disparities in grading. Additionally, standardized practices facilitate better alignment with learning objectives and promote more effective feedback mechanisms [ 22 ].

Related to the above, students reported limited observation of skills and little emphasis placed on them to learn physical examination techniques. This finding resonates with the research conducted by Abdalla and Shorbagi in 2018, where many students reported a lack of observation during history-taking and physical examination [ 23 ]. The importance of observation is underscored by the fact that students often avoid conducting physical examinations, as highlighted in Pavlakis & Laurent’s study among postgraduate trainees in 2001 [ 24 ]. This study sheds more light on the critical role of observation in forcing medical students to master clinical assessment and practical skills. The study also uncovered that students are rarely given the opportunity to propose management plans during case presentations, which hampers their confidence and learning of clinical decision-making. These findings likely stem from the large student-to-lecturer ratio and little attention given to these aspects of the long case during the planning of the assessment method. The result is students not receiving the necessary guidance and support to develop their clinical and decision-making skills. Therefore, addressing these issues by putting more emphasis on observation of student-patient interaction, management plan, and having a smaller student group is vital to ensure that medical students receive comprehensive training and are adequately prepared for their future roles as physicians.

The study found that the marks awarded for the long case serve as the primary motivator for students. This finding aligns with previous research indicating that the knowledge that each long case is part of assessment drives students to perform their duties diligently [ 2 , 25 ]. It underscores the crucial role that assessment plays in driving learning processes. However, the pressures to obtain marks and signatures reportedly hinder students’ engagement in learning. This could be attributed to instances where some lecturers relax on supervision or are absent, leaving students to struggle to find someone to assess them. Inadequate supervision by attending physicians has been identified in prior studies as one of the causes of insufficient clinical experience [ 26 ], something that need to be dealt with diligently. While the marks awarded are a motivating factor, it is essential to understand other underlying motivations of medical students to engage in the long case and their impact on the learning process.

Feedback is crucial for the long case to fulfill its role as an assessment for learning. The study participants reported that feedback is provided promptly as students present their cases. This immediate feedback is essential for identifying errors and learning appropriate skills to enhance subsequent performance. However, the feedback process appears to be unilateral, with students receiving feedback from lecturers but lacking a structured mechanism for providing feedback themselves. One reason for the lack of student feedback may be a perceived intimidating approach from lecturers which discourages students from offering their input. It is thus important to establish a conducive environment where students feel comfortable providing feedback without fear of negative repercussions. The study underscores the significance of feedback from students in improving the learning process. This aligns with the findings of Hattie and Timperley (2007), who emphasized that feedback received from learners contributes significantly to improvements in student learning [ 27 ]. Therefore, it is essential to implement strategies to encourage and facilitate bidirectional feedback between students and lecturers in the context of the long case assessment. This could involve creating formal channels for students to provide feedback anonymously or in a structured format, fostering open communication, and addressing any perceived barriers to feedback exchange [ 28 ]. By promoting a culture of feedback reciprocity, educators can enhance the effectiveness of the long case as an assessment tool.

Conclusions

In conclusion, the long case remains a cornerstone of formative assessment during clerkship in many medical schools, particularly in low-resource countries. However, its effectiveness is challenged by limitations such as case specificity in tertiary care hospitals, which can affect the assessment’s reliability and generalizability. The practice of awarding marks in formative assessment serves as a strong motivator for students but also creates tension, especially when there is inadequate contact with lecturers. This can lead to a focus on hunting for marks at the expense of genuine learning. Thus adequate supervision and feedback practices are vital for ensuring the success of the long case as an assessment for learning.

Furthermore, there is a need to foster standardized long case practice to ensure that scheduled learning activities are completed and that all students clerk and present patients with different conditions from various wards. This will promote accountability among both lecturers and students and ensure a consistent and uniform experience with the long case as an assessment for learning, regardless of the ward a student is assigned.

What is generative AI?

In the months and years since ChatGPT burst on the scene in November 2022, generative AI (gen AI) has come a long way. Every month sees the launch of new tools, rules, or iterative technological advancements. While many have reacted to ChatGPT (and AI and machine learning more broadly) with fear, machine learning clearly has the potential for good. In the years since its wide deployment, machine learning has demonstrated impact in a number of industries, accomplishing things like medical imaging analysis  and high-resolution weather forecasts. A 2022 McKinsey survey shows that AI adoption has more than doubled  over the past five years, and investment in AI is increasing apace. It’s clear that generative AI tools like ChatGPT (the GPT stands for generative pretrained transformer) and image generator DALL-E (its name a mashup of the surrealist artist Salvador Dalí and the lovable Pixar robot WALL-E) have the potential to change how a range of jobs are performed. The full scope of that impact, though, is still unknown—as are the risks.

Artificial intelligence is pretty much just what it sounds like—the practice of getting machines to mimic human intelligence to perform tasks. Machine learning is a type of artificial intelligence. Through machine learning, practitioners develop artificial intelligence through models that can “learn” from data patterns without human direction. The unmanageably huge volume and complexity of data (unmanageable by humans, anyway) that is now being generated has increased machine learning’s potential , as well as the need for it.

What are the main types of machine learning models?

Machine learning is founded on a number of building blocks, starting with classical statistical techniques  developed between the 18th and 20th centuries for small data sets. In the 1930s and 1940s, the pioneers of computing—including theoretical mathematician Alan Turing—began working on the basic techniques for machine learning. But these techniques were limited to laboratories until the late 1970s, when scientists first developed computers powerful enough to mount them.

Until recently, machine learning was largely limited to predictive models, used to observe and classify patterns in content. For example, a classic machine learning problem is to start with an image or several images of, say, adorable cats. The program would then identify patterns among the images, and then scrutinize random images for ones that would match the adorable cat pattern. Generative AI was a breakthrough. Rather than simply perceive and classify a photo of a cat, machine learning is now able to create an image or text description of a cat on demand.

How do text-based machine learning models work how are they trained.

ChatGPT may be getting all the headlines now, but it’s not the first text-based machine learning model to make a splash. OpenAI’s GPT-3 and Google’s BERT both launched in recent years to some fanfare. But before ChatGPT, which by most accounts works pretty well most of the time (though it’s still being evaluated), AI chatbots didn’t always get the best reviews. GPT-3 is “by turns super impressive and super disappointing,” said New York Times tech reporter Cade Metz in a video where he and food writer Priya Krishna asked GPT-3 to write recipes for a (rather disastrous) Thanksgiving dinner .

The first machine learning models to work with text were trained by humans to classify various inputs according to labels set by researchers. One example would be a model trained to label social media  posts as either positive or negative. This type of training is known as supervised learning because a human is in charge of “teaching” the model what to do.

The next generation of text-based machine learning models rely on what’s known as self-supervised learning. This type of training involves feeding a model a massive amount of text so it becomes able to generate predictions. For example, some models can predict, based on a few words, how a sentence will end. With the right amount of sample text—say, a broad swath of the internet—these text models become quite accurate. We’re seeing just how accurate with the success of tools like ChatGPT.

What does it take to build a generative AI model?

Building a generative AI model has for the most part been a major undertaking, to the extent that only a few well-resourced tech heavyweights have made an attempt . OpenAI, the company behind ChatGPT, former GPT models, and DALL-E, has billions in funding from bold-face-name donors. DeepMind is a subsidiary of Alphabet, the parent company of Google, and even Meta has dipped a toe into the generative AI model pool with its Make-A-Video product. These companies employ some of the world’s best computer scientists and engineers.

But it’s not just talent. When you’re asking a model to train using nearly the entire internet, it’s going to cost you. OpenAI hasn’t released exact costs, but estimates indicate that GPT-3 was trained on around 45 terabytes of text data—that’s about one million feet of bookshelf space, or a quarter of the entire Library of Congress—at an estimated cost of several million dollars. These aren’t resources your garden-variety start-up can access.

What kinds of output can a generative AI model produce?

As you may have noticed above, outputs from generative AI models can be indistinguishable from human-generated content, or they can seem a little uncanny. The results depend on the quality of the model—as we’ve seen, ChatGPT’s outputs so far appear superior to those of its predecessors—and the match between the model and the use case, or input.

ChatGPT can produce what one commentator called a “ solid A- ” essay comparing theories of nationalism from Benedict Anderson and Ernest Gellner—in ten seconds. It also produced an already famous passage describing how to remove a peanut butter sandwich from a VCR in the style of the King James Bible. Image-generating AI models like DALL-E 2 can create strange, beautiful images on demand, like a Raphael painting of a Madonna and child, eating pizza . Other generative AI models can produce code, video, audio, or business simulations .

But the outputs aren’t always accurate—or appropriate. When Priya Krishna asked DALL-E 2 to come up with an image for Thanksgiving dinner, it produced a scene where the turkey was garnished with whole limes, set next to a bowl of what appeared to be guacamole. For its part, ChatGPT seems to have trouble counting, or solving basic algebra problems—or, indeed, overcoming the sexist and racist bias that lurks in the undercurrents of the internet and society more broadly.

Generative AI outputs are carefully calibrated combinations of the data used to train the algorithms. Because the amount of data used to train these algorithms is so incredibly massive—as noted, GPT-3 was trained on 45 terabytes of text data—the models can appear to be “creative” when producing outputs. What’s more, the models usually have random elements, which means they can produce a variety of outputs from one input request—making them seem even more lifelike.

What kinds of problems can a generative AI model solve?

The opportunity for businesses is clear. Generative AI tools can produce a wide variety of credible writing in seconds, then respond to criticism to make the writing more fit for purpose. This has implications for a wide variety of industries, from IT and software organizations that can benefit from the instantaneous, largely correct code generated by AI models to organizations in need of marketing copy. In short, any organization that needs to produce clear written materials potentially stands to benefit. Organizations can also use generative AI to create more technical materials, such as higher-resolution versions of medical images. And with the time and resources saved here, organizations can pursue new business opportunities and the chance to create more value.

We’ve seen that developing a generative AI model is so resource intensive that it is out of the question for all but the biggest and best-resourced companies. Companies looking to put generative AI to work have the option to either use generative AI out of the box or fine-tune them to perform a specific task. If you need to prepare slides according to a specific style, for example, you could ask the model to “learn” how headlines are normally written based on the data in the slides, then feed it slide data and ask it to write appropriate headlines.

What are the limitations of AI models? How can these potentially be overcome?

Because they are so new, we have yet to see the long tail effect of generative AI models. This means there are some inherent risks  involved in using them—some known and some unknown.

The outputs generative AI models produce may often sound extremely convincing. This is by design. But sometimes the information they generate is just plain wrong. Worse, sometimes it’s biased (because it’s built on the gender, racial, and myriad other biases of the internet and society more generally) and can be manipulated to enable unethical or criminal activity. For example, ChatGPT won’t give you instructions on how to hotwire a car, but if you say you need to hotwire a car to save a baby, the algorithm is happy to comply. Organizations that rely on generative AI models should reckon with reputational and legal risks involved in unintentionally publishing biased, offensive, or copyrighted content.

These risks can be mitigated, however, in a few ways. For one, it’s crucial to carefully select the initial data used to train these models to avoid including toxic or biased content. Next, rather than employing an off-the-shelf generative AI model, organizations could consider using smaller, specialized models. Organizations with more resources could also customize a general model based on their own data to fit their needs and minimize biases. Organizations should also keep a human in the loop (that is, to make sure a real human checks the output of a generative AI model before it is published or used) and avoid using generative AI models for critical decisions, such as those involving significant resources or human welfare.

It can’t be emphasized enough that this is a new field. The landscape of risks and opportunities  is likely to change rapidly in coming weeks, months, and years. New use cases are being tested monthly, and new models are likely to be developed in the coming years. As generative AI becomes increasingly, and seamlessly, incorporated into business, society, and our personal lives, we can also expect a new regulatory climate  to take shape. As organizations begin experimenting—and creating value—with these tools, leaders will do well to keep a finger on the pulse of regulation and risk.
