How to Write a Dissertation | A Guide to Structure & Content

A dissertation or thesis is a long piece of academic writing based on original research, submitted as part of an undergraduate or postgraduate degree.

The structure of a dissertation depends on your field, but it is usually divided into at least four or five chapters (including an introduction and conclusion chapter).

The most common dissertation structure in the sciences and social sciences includes:

  • An introduction to your topic
  • A literature review that surveys relevant sources
  • An explanation of your methodology
  • An overview of the results of your research
  • A discussion of the results and their implications
  • A conclusion that shows what your research has contributed

Dissertations in the humanities are often structured more like a long essay , building an argument by analysing primary and secondary sources . Instead of the standard structure outlined here, you might organise your chapters around different themes or case studies.

Other important elements of the dissertation include the title page , abstract , and reference list . If in doubt about how your dissertation should be structured, always check your department’s guidelines and consult with your supervisor.

The very first page of your document contains your dissertation’s title, your name, department, institution, degree program, and submission date. The acknowledgements section is usually optional, and gives space for you to thank everyone who helped you in writing your dissertation. This might include your supervisors, participants in your research, and friends or family who supported you.

The abstract is a short summary of your dissertation, usually about 150-300 words long. You should write it at the very end, when you’ve completed the rest of the dissertation. In the abstract, make sure to:

  • State the main topic and aims of your research
  • Describe the methods you used
  • Summarise the main results
  • State your conclusions

Although the abstract is very short, it’s the first part (and sometimes the only part) of your dissertation that people will read, so it’s important that you get it right. If you’re struggling to write a strong abstract, read our guide on how to write an abstract .

In the table of contents, list all of your chapters and subheadings and their page numbers. The dissertation contents page gives the reader an overview of your structure and helps easily navigate the document.

All parts of your dissertation should be included in the table of contents, including the appendices. You can generate a table of contents automatically in Word.

If you have used a lot of tables and figures in your dissertation, you should itemise them in a numbered list . You can automatically generate this list using the Insert Caption feature in Word.

If you have used a lot of abbreviations in your dissertation, you can include them in an alphabetised list of abbreviations so that the reader can easily look up their meanings.

If you have used a lot of highly specialised terms that will not be familiar to your reader, it might be a good idea to include a glossary . List the terms alphabetically and explain each term with a brief description or definition.

In the introduction, you set up your dissertation’s topic, purpose, and relevance, and tell the reader what to expect in the rest of the dissertation. The introduction should:

  • Establish your research topic , giving necessary background information to contextualise your work
  • Narrow down the focus and define the scope of the research
  • Discuss the state of existing research on the topic, showing your work’s relevance to a broader problem or debate
  • Clearly state your objectives and research questions , and indicate how you will answer them
  • Give an overview of your dissertation’s structure

Everything in the introduction should be clear, engaging, and relevant to your research. By the end, the reader should understand the what , why and how of your research. Not sure how? Read our guide on how to write a dissertation introduction .

Before you start on your research, you should have conducted a literature review to gain a thorough understanding of the academic work that already exists on your topic. This means:

  • Collecting sources (e.g. books and journal articles) and selecting the most relevant ones
  • Critically evaluating and analysing each source
  • Drawing connections between them (e.g. themes, patterns, conflicts, gaps) to make an overall point

In the dissertation literature review chapter or section, you shouldn’t just summarise existing studies, but develop a coherent structure and argument that leads to a clear basis or justification for your own research. For example, it might aim to show how your research:

  • Addresses a gap in the literature
  • Takes a new theoretical or methodological approach to the topic
  • Proposes a solution to an unresolved problem
  • Advances a theoretical debate
  • Builds on and strengthens existing knowledge with new data

The literature review often becomes the basis for a theoretical framework , in which you define and analyse the key theories, concepts and models that frame your research. In this section you can answer descriptive research questions about the relationship between concepts or variables.

The methodology chapter or section describes how you conducted your research, allowing your reader to assess its validity. You should generally include:

  • The overall approach and type of research (e.g. qualitative, quantitative, experimental, ethnographic)
  • Your methods of collecting data (e.g. interviews, surveys, archives)
  • Details of where, when, and with whom the research took place
  • Your methods of analysing data (e.g. statistical analysis, discourse analysis)
  • Tools and materials you used (e.g. computer programs, lab equipment)
  • A discussion of any obstacles you faced in conducting the research and how you overcame them
  • An evaluation or justification of your methods

Your aim in the methodology is to accurately report what you did, as well as convincing the reader that this was the best approach to answering your research questions or objectives.

Next, you report the results of your research . You can structure this section around sub-questions, hypotheses, or topics. Only report results that are relevant to your objectives and research questions. In some disciplines, the results section is strictly separated from the discussion, while in others the two are combined.

For example, for qualitative methods like in-depth interviews, the presentation of the data will often be woven together with discussion and analysis, while in quantitative and experimental research, the results should be presented separately before you discuss their meaning. If you’re unsure, consult with your supervisor and look at sample dissertations to find out the best structure for your research.

In the results section it can often be helpful to include tables, graphs and charts. Think carefully about how best to present your data, and don’t include tables or figures that just repeat what you have written  –  they should provide extra information or usefully visualise the results in a way that adds value to your text.

Full versions of your data (such as interview transcripts) can be included as an appendix .

The discussion  is where you explore the meaning and implications of your results in relation to your research questions. Here you should interpret the results in detail, discussing whether they met your expectations and how well they fit with the framework that you built in earlier chapters. If any of the results were unexpected, offer explanations for why this might be. It’s a good idea to consider alternative interpretations of your data and discuss any limitations that might have influenced the results.

The discussion should reference other scholarly work to show how your results fit with existing knowledge. You can also make recommendations for future research or practical action.

The dissertation conclusion should concisely answer the main research question, leaving the reader with a clear understanding of your central argument. Wrap up your dissertation with a final reflection on what you did and how you did it. The conclusion often also includes recommendations for research or practice.

In this section, it’s important to show how your findings contribute to knowledge in the field and why your research matters. What have you added to what was already known?

You must include full details of all sources that you have cited in a reference list (sometimes also called a works cited list or bibliography). It’s important to follow a consistent reference style . Each style has strict and specific requirements for how to format your sources in the reference list.

The most common styles used in UK universities are Harvard referencing and Vancouver referencing . Your department will often specify which referencing style you should use – for example, psychology students tend to use APA style , humanities students often use MHRA , and law students always use OSCOLA . M ake sure to check the requirements, and ask your supervisor if you’re unsure.

Your dissertation itself should contain only essential information that directly contributes to answering your research question. Documents you have used that do not fit into the main body of your dissertation (such as interview transcripts, survey questions or tables with full figures) can be added as appendices .

What is a thesis?

What is a dissertation, getting started, staying on track, thesis abstract, lit(erature) review.

A thesis is a long-term project that you work on over the course of a semester or a year. Theses have a very wide variety of styles and content, so we encourage you to look at prior examples and work closely with faculty to develop yours. 

Before you begin, make sure that you are familiar with the dissertation genre—what it is for and what it looks like.

Generally speaking, a dissertation’s purpose is to prove that you have the expertise necessary to fulfill your doctoral-degree requirements by showing depth of knowledge and independent thinking.

The form of a dissertation may vary by discipline. Be sure to follow the specific guidelines of your department.

Finding an original topic can be a daunting and overwhelming task. These key concepts can help you focus and save time.

Finding a topic for your thesis or dissertation should start with a research question that excites or at least interests you. A rigorous, engaging, and original project will require continuous curiosity about your topic, about your own thoughts on the topic, and about what other scholars have said on your topic. Avoid getting boxed in by thinking you know what you want to say from the beginning; let your research and your writing evolve as you explore and fine-tune your focus through constant questioning and exploration.

Get a sense of the broader picture before you narrow your focus and attempt to frame an argument. Read, skim, and otherwise familiarize yourself with what other scholars have done in areas related to your proposed topic. Briefly explore topics tangentially related to yours to broaden your perspective and increase your chance of finding a unique angle to pursue.

Critical Reading

Critical reading is the opposite of passive reading. Instead of merely reading for information to absorb, critical reading also involves careful, sustained thinking about what you are reading. This process may include analyzing the author’s motives and assumptions, asking what might be left out of the discussion, considering what you agree with or disagree with in the author’s statements and why you agree or disagree, and exploring connections or contradictions between scholarly arguments. Conversation

Your thesis or dissertation will incorporate some ideas from other scholars whose work you researched. By reading critically and following your curiosity, you will develop your own ideas and claims, and these contributions are the core of your project. You will also acknowledge the work of scholars who came before you, and you must accurately and fairly attribute this work and define your place within the larger discussion. Make sure that you know how to quote, summarize, paraphrase ,  integrate , and cite sources to avoid plagiarism and to show the depth and breadth of your knowledge.

A thesis is a long-term, large project that involves both research and writing; it is easy to lose focus, motivation, and momentum. Here are suggestions for achieving the result you want in the time you have.

The dissertation is probably the largest project you have undertaken, and a lot of the work is self-directed. The project can feel daunting or even overwhelming unless you break it down into manageable pieces and create a timeline for completing each smaller task. Be realistic but also challenge yourself, and be forgiving of yourself if you miss a self-imposed deadline here and there.

Your program will also have specific deadlines for different requirements, including establishing a committee, submitting a prospectus, completing the dissertation, defending the dissertation, and submitting your work. Consult your department’s website for these dates and incorporate them into the timeline for your work.

Accountability

Sometimes self-imposed deadlines do not feel urgent unless there is accountability to someone beyond yourself. To increase your motivation to complete tasks on schedule, set dates with your committee chair to submit pre-determined pieces of a chapter. You can also arrange with a fellow doctoral student to check on each other’s progress. Research and writing can be lonely, so it is also nice to share that journey with someone and support each other through the process.

Common Pitfalls

The most common challenges for students writing a dissertation are writer’s block, information-overload, and the compulsion to keep researching forever.

There are many strategies for avoiding writer’s block, such as freewriting, outlining, taking a walk, starting in the middle, and creating an ideal work environment for your particular learning style. Pay attention to what helps you and try different things until you find what works.

Finally, remember that there is always more to learn and your dissertation cannot incorporate everything. Follow your curiosity but also set limits on the scope of your work. It helps to create a folder entitled “future projects” for topics and sources that interest you but that do not fit neatly into the dissertation. Also remember that future scholars will build off of your work, so leave something for them to do.

An abstract is a short (approximately 200-word) summary or overview of your research project. It provides enough information for a reader to know what they will find within the larger document, such as your purpose, methodology, and results or conclusion. It may also include a list of  keywords. An abstract is an original document, not an excerpt, and its contents and organization may vary by discipline.

A literature review establishes a set of themes and contexts drawn from foundational research and materials that relate to your project. It is an acknowledgment that your scholarship doesn’t exist in a vacuum. With the review, you identify patterns and trends in the literature to situate your contribution within the existing scholarly conversation.

What is a literature review? A literature review (or lit review, for short) is a critical analysis of published scholarly research (the "literature") related to a specific topic. Literature here means body of work, which traditionally was done in written form and may include journal articles, books, book chapters, dissertations and thesis, or conference proceedings. In the case of design, however, literature has an expanded breadth since the body of work is oftentimes not represented by words. A design review may include plans, sections, photographs, and any type of media that portrays the work.

A literature review may stand on its own or may be inside a larger work, usually in the introductory sections. It is thorough but not exhaustive--there will always be more information than you can reasonably locate and include. Be mindful of your scope and time constraints and select your reviewed materials with care. A literature review

  • summarizes the themes and findings of works in an area
  • compares and contrasts relevant aspects of literature on a topic
  • critically assesses the strengths and omissions of the source material
  • elaborates on the implications of their findings for one's own research topic

What does a literature review look like? Each discipline has its own style for writing a literature review; urban planning and design lit reviews may look different than those from architecture, and design lit reviews will look significantly different than reviews from the biological sciences or engineering. Look at published journal articles within your field and note how they present the information.

  • Introduction: most scholarly articles and books will have a literature review within the introductory sections. Its precise location may vary, but it is most often in the first few paragraphs or pages.

Dedicated literature reviews: these are stand-alone resources unto themselves. You can search for "literature review" and a topic, and you may find that one already exists. These literature reviews are useful as models within your field, for finding additional sources to explore, and for beginning to map the general relationships within the scholarly conversation around your topic. Be mindful not to plagiarize the source material.

Browsing through theses and dissertations of the past can help to get a sense of your options and gain inspiration but be careful to use current guidelines and refer to your committee instead of relying on these examples for form or formatting.

Dissertation Structure & Layout 101: How to structure your dissertation, thesis or research project.

So, you’ve got a decent understanding of what a dissertation is , you’ve chosen your topic and hopefully you’ve received approval for your research proposal . Awesome! Now its time to start the actual dissertation or thesis writing journey.

To craft a high-quality document, the very first thing you need to understand is dissertation structure . In this post, we’ll walk you through the generic dissertation structure and layout, step by step. We’ll start with the big picture, and then zoom into each chapter to briefly discuss the core contents. If you’re just starting out on your research journey, you should start with this post, which covers the big-picture process of how to write a dissertation or thesis .

Dissertation structure and layout - the basics

*The Caveat *

In this post, we’ll be discussing a traditional dissertation/thesis structure and layout, which is generally used for social science research across universities, whether in the US, UK, Europe or Australia. However, some universities may have small variations on this structure (extra chapters, merged chapters, slightly different ordering, etc).

So, always check with your university if they have a prescribed structure or layout that they expect you to work with. If not, it’s safe to assume the structure we’ll discuss here is suitable. And even if they do have a prescribed structure, you’ll still get value from this post as we’ll explain the core contents of each section.  

Overview: S tructuring a dissertation or thesis

  • Acknowledgements page
  • Abstract (or executive summary)
  • Table of contents , list of figures and tables
  • Chapter 1: Introduction
  • Chapter 2: Literature review
  • Chapter 3: Methodology
  • Chapter 4: Results
  • Chapter 5: Discussion
  • Chapter 6: Conclusion
  • Reference list

As I mentioned, some universities will have slight variations on this structure. For example, they want an additional “personal reflection chapter”, or they might prefer the results and discussion chapter to be merged into one. Regardless, the overarching flow will always be the same, as this flow reflects the research process , which we discussed here – i.e.:

  • The introduction chapter presents the core research question and aims .
  • The literature review chapter assesses what the current research says about this question.
  • The methodology, results and discussion chapters go about undertaking new research about this question.
  • The conclusion chapter (attempts to) answer the core research question .

In other words, the dissertation structure and layout reflect the research process of asking a well-defined question(s), investigating, and then answering the question – see below.

To restate that – the structure and layout of a dissertation reflect the flow of the overall research process . This is essential to understand, as each chapter will make a lot more sense if you “get” this concept. If you’re not familiar with the research process, read this post before going further.

Right. Now that we’ve covered the big picture, let’s dive a little deeper into the details of each section and chapter. Oh and by the way, you can also grab our free dissertation/thesis template here to help speed things up.

The title page of your dissertation is the very first impression the marker will get of your work, so it pays to invest some time thinking about your title. But what makes for a good title? A strong title needs to be 3 things:

  • Succinct (not overly lengthy or verbose)
  • Specific (not vague or ambiguous)
  • Representative of the research you’re undertaking (clearly linked to your research questions)

Typically, a good title includes mention of the following:

  • The broader area of the research (i.e. the overarching topic)
  • The specific focus of your research (i.e. your specific context)
  • Indication of research design (e.g. quantitative , qualitative , or  mixed methods ).

For example:

A quantitative investigation [research design] into the antecedents of organisational trust [broader area] in the UK retail forex trading market [specific context/area of focus].

Again, some universities may have specific requirements regarding the format and structure of the title, so it’s worth double-checking expectations with your institution (if there’s no mention in the brief or study material).

Acknowledgements

This page provides you with an opportunity to say thank you to those who helped you along your research journey. Generally, it’s optional (and won’t count towards your marks), but it is academic best practice to include this.

So, who do you say thanks to? Well, there’s no prescribed requirements, but it’s common to mention the following people:

  • Your dissertation supervisor or committee.
  • Any professors, lecturers or academics that helped you understand the topic or methodologies.
  • Any tutors, mentors or advisors.
  • Your family and friends, especially spouse (for adult learners studying part-time).

There’s no need for lengthy rambling. Just state who you’re thankful to and for what (e.g. thank you to my supervisor, John Doe, for his endless patience and attentiveness) – be sincere. In terms of length, you should keep this to a page or less.

Abstract or executive summary

The dissertation abstract (or executive summary for some degrees) serves to provide the first-time reader (and marker or moderator) with a big-picture view of your research project. It should give them an understanding of the key insights and findings from the research, without them needing to read the rest of the report – in other words, it should be able to stand alone .

For it to stand alone, your abstract should cover the following key points (at a minimum):

  • Your research questions and aims – what key question(s) did your research aim to answer?
  • Your methodology – how did you go about investigating the topic and finding answers to your research question(s)?
  • Your findings – following your own research, what did do you discover?
  • Your conclusions – based on your findings, what conclusions did you draw? What answers did you find to your research question(s)?

So, in much the same way the dissertation structure mimics the research process, your abstract or executive summary should reflect the research process, from the initial stage of asking the original question to the final stage of answering that question.

In practical terms, it’s a good idea to write this section up last , once all your core chapters are complete. Otherwise, you’ll end up writing and rewriting this section multiple times (just wasting time). For a step by step guide on how to write a strong executive summary, check out this post .

Table of contents

This section is straightforward. You’ll typically present your table of contents (TOC) first, followed by the two lists – figures and tables. I recommend that you use Microsoft Word’s automatic table of contents generator to generate your TOC. If you’re not familiar with this functionality, the video below explains it simply:

If you find that your table of contents is overly lengthy, consider removing one level of depth. Oftentimes, this can be done without detracting from the usefulness of the TOC.

Right, now that the “admin” sections are out of the way, its time to move on to your core chapters. These chapters are the heart of your dissertation and are where you’ll earn the marks. The first chapter is the introduction chapter – as you would expect, this is the time to introduce your research…

It’s important to understand that even though you’ve provided an overview of your research in your abstract, your introduction needs to be written as if the reader has not read that (remember, the abstract is essentially a standalone document). So, your introduction chapter needs to start from the very beginning, and should address the following questions:

  • What will you be investigating (in plain-language, big picture-level)?
  • Why is that worth investigating? How is it important to academia or business? How is it sufficiently original?
  • What are your research aims and research question(s)? Note that the research questions can sometimes be presented at the end of the literature review (next chapter).
  • What is the scope of your study? In other words, what will and won’t you cover ?
  • How will you approach your research? In other words, what methodology will you adopt?
  • How will you structure your dissertation? What are the core chapters and what will you do in each of them?

These are just the bare basic requirements for your intro chapter. Some universities will want additional bells and whistles in the intro chapter, so be sure to carefully read your brief or consult your research supervisor.

If done right, your introduction chapter will set a clear direction for the rest of your dissertation. Specifically, it will make it clear to the reader (and marker) exactly what you’ll be investigating, why that’s important, and how you’ll be going about the investigation. Conversely, if your introduction chapter leaves a first-time reader wondering what exactly you’ll be researching, you’ve still got some work to do.

Now that you’ve set a clear direction with your introduction chapter, the next step is the literature review . In this section, you will analyse the existing research (typically academic journal articles and high-quality industry publications), with a view to understanding the following questions:

  • What does the literature currently say about the topic you’re investigating?
  • Is the literature lacking or well established? Is it divided or in disagreement?
  • How does your research fit into the bigger picture?
  • How does your research contribute something original?
  • How does the methodology of previous studies help you develop your own?

Depending on the nature of your study, you may also present a conceptual framework towards the end of your literature review, which you will then test in your actual research.

Again, some universities will want you to focus on some of these areas more than others, some will have additional or fewer requirements, and so on. Therefore, as always, its important to review your brief and/or discuss with your supervisor, so that you know exactly what’s expected of your literature review chapter.

Dissertation writing

Now that you’ve investigated the current state of knowledge in your literature review chapter and are familiar with the existing key theories, models and frameworks, its time to design your own research. Enter the methodology chapter – the most “science-ey” of the chapters…

In this chapter, you need to address two critical questions:

  • Exactly HOW will you carry out your research (i.e. what is your intended research design)?
  • Exactly WHY have you chosen to do things this way (i.e. how do you justify your design)?

Remember, the dissertation part of your degree is first and foremost about developing and demonstrating research skills . Therefore, the markers want to see that you know which methods to use, can clearly articulate why you’ve chosen then, and know how to deploy them effectively.

Importantly, this chapter requires detail – don’t hold back on the specifics. State exactly what you’ll be doing, with who, when, for how long, etc. Moreover, for every design choice you make, make sure you justify it.

In practice, you will likely end up coming back to this chapter once you’ve undertaken all your data collection and analysis, and revise it based on changes you made during the analysis phase. This is perfectly fine. Its natural for you to add an additional analysis technique, scrap an old one, etc based on where your data lead you. Of course, I’m talking about small changes here – not a fundamental switch from qualitative to quantitative, which will likely send your supervisor in a spin!

You’ve now collected your data and undertaken your analysis, whether qualitative, quantitative or mixed methods. In this chapter, you’ll present the raw results of your analysis . For example, in the case of a quant study, you’ll present the demographic data, descriptive statistics, inferential statistics , etc.

Typically, Chapter 4 is simply a presentation and description of the data, not a discussion of the meaning of the data. In other words, it’s descriptive, rather than analytical – the meaning is discussed in Chapter 5. However, some universities will want you to combine chapters 4 and 5, so that you both present and interpret the meaning of the data at the same time. Check with your institution what their preference is.

Now that you’ve presented the data analysis results, its time to interpret and analyse them. In other words, its time to discuss what they mean, especially in relation to your research question(s).

What you discuss here will depend largely on your chosen methodology. For example, if you’ve gone the quantitative route, you might discuss the relationships between variables . If you’ve gone the qualitative route, you might discuss key themes and the meanings thereof. It all depends on what your research design choices were.

Most importantly, you need to discuss your results in relation to your research questions and aims, as well as the existing literature. What do the results tell you about your research questions? Are they aligned with the existing research or at odds? If so, why might this be? Dig deep into your findings and explain what the findings suggest, in plain English.

The final chapter – you’ve made it! Now that you’ve discussed your interpretation of the results, its time to bring it back to the beginning with the conclusion chapter . In other words, its time to (attempt to) answer your original research question s (from way back in chapter 1). Clearly state what your conclusions are in terms of your research questions. This might feel a bit repetitive, as you would have touched on this in the previous chapter, but its important to bring the discussion full circle and explicitly state your answer(s) to the research question(s).

Dissertation and thesis prep

Next, you’ll typically discuss the implications of your findings . In other words, you’ve answered your research questions – but what does this mean for the real world (or even for academia)? What should now be done differently, given the new insight you’ve generated?

Lastly, you should discuss the limitations of your research, as well as what this means for future research in the area. No study is perfect, especially not a Masters-level. Discuss the shortcomings of your research. Perhaps your methodology was limited, perhaps your sample size was small or not representative, etc, etc. Don’t be afraid to critique your work – the markers want to see that you can identify the limitations of your work. This is a strength, not a weakness. Be brutal!

This marks the end of your core chapters – woohoo! From here on out, it’s pretty smooth sailing.

The reference list is straightforward. It should contain a list of all resources cited in your dissertation, in the required format, e.g. APA , Harvard, etc.

It’s essential that you use reference management software for your dissertation. Do NOT try handle your referencing manually – its far too error prone. On a reference list of multiple pages, you’re going to make mistake. To this end, I suggest considering either Mendeley or Zotero. Both are free and provide a very straightforward interface to ensure that your referencing is 100% on point. I’ve included a simple how-to video for the Mendeley software (my personal favourite) below:

Some universities may ask you to include a bibliography, as opposed to a reference list. These two things are not the same . A bibliography is similar to a reference list, except that it also includes resources which informed your thinking but were not directly cited in your dissertation. So, double-check your brief and make sure you use the right one.

The very last piece of the puzzle is the appendix or set of appendices. This is where you’ll include any supporting data and evidence. Importantly, supporting is the keyword here.

Your appendices should provide additional “nice to know”, depth-adding information, which is not critical to the core analysis. Appendices should not be used as a way to cut down word count (see this post which covers how to reduce word count ). In other words, don’t place content that is critical to the core analysis here, just to save word count. You will not earn marks on any content in the appendices, so don’t try to play the system!

Time to recap…

And there you have it – the traditional dissertation structure and layout, from A-Z. To recap, the core structure for a dissertation or thesis is (typically) as follows:

  • Acknowledgments page

Most importantly, the core chapters should reflect the research process (asking, investigating and answering your research question). Moreover, the research question(s) should form the golden thread throughout your dissertation structure. Everything should revolve around the research questions, and as you’ve seen, they should form both the start point (i.e. introduction chapter) and the endpoint (i.e. conclusion chapter).

Higher education is filled with milestones. When completing your PhD , you will be required to complete a dissertation. Even if you’ve heard this word thrown around before, you still may be questioning “What is a dissertation?” It’s a common question, especially for those considering to join or are already in a graduate program. As such, here’s everything you need to know about dissertations.

What is a Dissertation?

A dissertation is a written document that details research. A dissertation also signifies the completion of your PhD program. It is required to earn a PhD degree, which stands for Doctor of Philosophy.

A PhD is created from knowledge acquired from:

1. Coursework:

A PhD program consists of academic courses that are usually small in size and challenging in content. Most PhD courses consist of a high amount and level of reading and writing per week. These courses will help prepare you for your dissertation as they will teach research methodology.

2. Research:

For your dissertation, it is likely that you will have the choice between performing your own research on a subject , or expanding on existing research. Likely, you will complete a mixture of the two. For those in the hard sciences, you will perform research in a lab. For those in humanities and social sciences, research may mean gathering data from surveys or existing research.

3. Analysis:

Once you have collected the data you need to prove your point, you will have to analyze and interpret the information. PhD programs will prepare you for how to conduct analysis, as well as for how to position your research into the existing body of work on the subject matter.

4. Support:

The process of writing and completing a dissertation is bigger than the work itself. It can lead to research positions within the university or outside companies. It may mean that you will teach and share your findings with current undergraduates, or even be published in academic journals. How far you plan to take your dissertation is your choice to make and will require the relevant effort to accomplish your goals.

Moving from Student to Scholar

In essence, a dissertation is what moves a doctoral student into becoming a scholar. Their research may be published, shared, and used as educational material moving forwards.

Thesis vs. Dissertation

Basic differences.

Grad students may conflate the differences between a thesis and a dissertation.

Simply put, a thesis is what you write to complete a master’s degree. It summarizes existing research and signifies that you understand the subject matter deeply.

On the other hand, a dissertation is the culmination of a doctoral program. It will likely require your own research and it can contribute an entirely new idea into your field.

Structural Differences

When it comes to the structure, a thesis and dissertation are also different. A thesis is like the research papers you complete during undergraduate studies. A thesis displays your ability to think critically and analyze information. It’s less based on research that you’ve completed yourself and more about interpreting and analyzing existing material. They are generally around 100 pages in length.

A dissertation is generally two to three times longer compared to a thesis. This is because the bulk of the information is garnered from research you’ve performed yourself. Also, if you are providing something new in your field, it means that existing information is lacking. That’s why you’ll have to provide a lot of data and research to back up your claims.

Your Guide: Structuring a Dissertation

Dissertation length.

The length of a dissertation varies between study level and country. At an undergraduate level, this is more likely referred to as a research paper, which is 10,000 to 12,000 words on average. At a master’s level, the word count may be 15,000 to 25,000, and it will likely be in the form of a thesis. For those completing their PhD, then the dissertation could be 50,000 words or more.

Format of the dissertation.

Here are the items you must include in a dissertation. While the format may slightly vary, here’s a look at one way to format your dissertation:

1. Title page:

This is the first page which includes: title, your name, department, degree program, institution, and submission date. Your program may specify exactly how and what they want you to include on the title page.

2. Acknowledgements:

This is optional, but it is where you can express your gratitude to those who have helped you complete your dissertation (professors, research partners, etc.).

3. Abstract:

The abstract is about 150-300 words and summarizes what your research is about. You state the main topic, the methods used, the main results, and your conclusion.

4. Table of Contents

Here, you list the chapter titles and pages to serve as a wayfinding tool for your readers.

5. List of Figures and Tables:

This is like the table of contents, but for graphs and figures.

6. List of Abbreviations:

If you’ve constantly abbreviated words in your content, define them in a list at the beginning.

7. Glossary:

In highly specialized work, it’s likely that you’ve used words that most people may not understand, so a glossary is where you define these terms.

8. Introduction:

Your introduction sets up the topic, purpose, and relevance. It’s where readers will understand what they expect to gain from your dissertation.

9. Literature Review / Theoretical Framework:

Based on the research you performed to create your own dissertation, you’ll want to summarize and address the gaps in what you researched.

10. Methodology

This is where you define how you conducted your research. It offers credibility for you as a source of information. You should give all the details as to how you’ve conducted your research, including: where and when research took place, how it was conducted, any obstacles you faced, and how you justified your findings.

11. Results:

This is where you share the results that have helped contribute to your findings.

12. Discussion:

In the discussion section, you explain what these findings mean to your research question. Were they in line with your expectations or did something jump out as surprising? You may also want to recommend ways to move forward in researching and addressing the subject matter.

13. Conclusion:

A conclusion ties it all together and summarizes the answer to the research question and leaves your reader clearly understanding your main argument.

14. Reference List:

This is the equivalent to a works cited or bibliography page, which documents all the sources you used to create your dissertation.

15. Appendices:

If you have any information that was ancillary to creating the dissertation, but doesn’t directly fit into its chapters, then you can add it in the appendix.

Drafting and Rewriting

As with any paper, especially one of this size and importance, the writing requires a process. It may begin with outlines and drafts, and even a few rewrites. It’s important to proofread your dissertation for both grammatical mistakes, but also to ensure it can be clearly understood.

It’s always useful to read your writing out loud to catch mistakes. Also, if you have people who you trust to read it over — like a peer, family member, mentor, or professor — it’s very helpful to get a second eye on your work.

How is it Different from an Essay?

There are a few main differences between a dissertation and an essay. For starters, an essay is relatively short in comparison to a dissertation, which includes your own body of research and work. Not only is an essay shorter, but you are also likely given the topic matter of an essay. When it comes to a dissertation, you have the freedom to construct your own argument, conduct your own research, and then prove your findings.

Types of Dissertations

You can choose what type of dissertation you complete. Often, this depends on the subject and doctoral degree, but the two main types are:

Non-empirical:

This relies on studying existing research to support your argument.

A dissertation is certainly no easy feat. Here’s a few more things to remember before you get started writing your own:

1. Independent by Nature:

The process of completing a dissertation is self-directed, and therefore can feel overwhelming. However, if you approach it like the new experience that it is with an open-mind and willingness to learn, you will make it through!

2. Seek Support:

There are countless people around to offer support. From professors to peers, you can always ask for help throughout the process.

3. Writing Skills:

The process of writing a dissertation will further hone your writing skills which will follow you throughout your life. These skills are highly transferable on the job, from having the ability to communicate to also developing analytical and critical thinking skills.

4. Time Management:

You can work backwards from the culmination of your program to break down this gargantuan task into smaller pieces. That way, you can manage your time to chip away at the task throughout the length of the program.

5. Topic Flexibility:

It’s okay to change subject matters and rethink the point of your dissertation. Just try as much as possible to do this early in the process so you don’t waste too much time and energy.

The Wrap Up

A dissertation marks the completion of your doctoral program and moves you from being a student to being a scholar. While the process is long and requires a lot of effort and energy, you have the power to lend an entirely new research and findings into your field of expertise.

As always, when in the thick of things, remember why you started. Completing both your dissertation and PhD is a commendable accomplishment.

PhD candidates must successfully complete and submit a dissertation to qualify for degree conferral. It is perhaps the most important and far-reaching undertaking in the entire doctoral program, having an impact that extends well beyond graduate studies. 

Requirements and Deadlines 

Each graduate program maintains specific requirements for the content and evaluation of the dissertation. Be sure to review your program’s departmental requirements prior to beginning the process. You should also review Harvard Griffin GSAS’s dissertation policies for important information about formatting, submission, and publishing and distribution options, including embargoes.  

Degrees are awarded in November, March, and May. Dissertation submission deadlines are noted in the Degree Calendar section of Policies .

Library research .

It’s never too early to start planning for your dissertation. The Harvard Library can help! The Library maintains a guide for graduate students engaged in scholarly writing titled the Writing Oasis . They also offer access to Overleaf , which is an online LaTeX and Rich Text collaborative writing and publishing tool that makes the process of academic writing, editing, and publishing quicker and easier. Writing 

Students can find support with planning and preparing to write the dissertation from their academic advisors and programs. The Fellowships & Writing Center also offers workshops on various aspects of dissertation writing, holds brainstorming office hours during which students may discuss their dissertations, and provides written feedback on dissertation chapters.  

Dissertation Completion Fellowships

Dissertation vs. thesis  

While dissertation and thesis are sometimes used interchangeably, they actually refer to two different pieces of writing. A thesis is traditionally completed at the end of a master’s program . It is based on pre-existing research and showcases your ability to understand the information you have been learning about in your program. 

A dissertation is much longer than a thesis and is completed at the end of a PhD or doctorate program . It is the last thing you need to complete in order to earn your doctorate in your chosen field. It will be about a topic of your choosing that is within your field of study. Instead of using all pre-existing information though, you will conduct a portion of your own research and propose new ideas.

What do you write about when completing a dissertation?

What you write about will depend on what field of study you are in. A dissertation is designed to be your own. Meaning that what you write about should be a new idea, a new topic, or question that is still unanswered in your field. Something that you will need to collect new data on, potentially interview people for and explore what information is already available.  

Generally, an idea will need to be approved or at least discussed with whoever is overseeing your dissertation before you begin writing. It’s important to put time and effort into choosing a topic that you will be able to find either existing research for and add to, or a topic that you will be able to establish your own methods of data collection for. Again, the goal of your dissertation is to add to your field.   

How long does a dissertation need to be?  

Your dissertation length will vary, but you can generally count on it to be around 2-3 times the length of your thesis. A standard thesis is roughly 80 to 100 pages. So, on the short end you’re looking at a 200 pages dissertation, while the longer end can reach as high as 400 pages.  

How long does it take to write?  

The page count for a dissertation is enough to scare even the best writers away, but take a breath and rest easy knowing that this is not something you complete in just one semester or even two. On the short end you will have a year to write your dissertation, while the longer end can offer as much as two years to complete your dissertation. During this time, you will work with an advisor who can watch over you and help you along the way.  

The parts of a dissertation   

A dissertation is not just one long paper you must write. Thankfully, it is broken down into manageable pieces that you complete over time.  

Choosing a topic  

The first thing you will do is come up with your topic. Again, your topic will need to be approved by whoever is overseeing your dissertation. If they think that it may not be a strong topic, they will let you know. Even if a topic is approved though, you’ll need to do research around that topic first to make sure that it has not already been covered, or if it has that you take into consideration what has been done and add to the topic in a new way.  

Research can mean looking at what already exists, as well as conducting your own research to add to a proposed idea of yours. Your research can take many different forms depending on what field you are in. Research can be costly at times, so be sure to check out what funding opportunities are available for doctoral research. There are even post PhD research grants you should be familiar with if you intend to continue researching.  

Chapter break down  

A dissertation generally consists of five chapters. We’ve written them out below with a brief description of each and what they include.   

Introduction – Just as you would expect, this is where you will introduce your topic and what you plan to discuss  

Literature review – This section will address the research you have found that has already been done, or found has not been done, that pertains to your topic  

Methodology – How you go about collecting information for your dissertation, whether it be conducting your own research or delving deep into what has already been done, will be discussed in the methodology section 

Results – Your results will analyze the information you gathered  in regard to your topic 

Discussion – Finally, your discussion section will assess the meaning of your results and it is also where you will add your own ideas, rooted in research, about what those results mean in a broader context in regard to your field 

There will be more parts of your dissertation that are not included in the chapters, but the bulk of your dissertation will be made up by these five chapters. Things like title pages, references, appendices, and table of contents will also be included.  

Defending your dissertation  

Believe it or not, it’s not enough just to write your dissertation–you also have to defend your dissertation. This is another reason why taking a thorough amount of time to choose your topic is so important. You’ll likely need to propose your initial dissertation idea, but that will be much simpler and shorter. Your final defense will be much lengthier and in depth.  

During your defense, you will present your dissertation to a committee. It’s likely that you’ll be at least somewhat familiar with those on the committee; they are not just randomly picked. They will ask you questions about your research, and you will need to respond to each question. A defense generally takes around two hours. The point of a defense is not to have people try to undermine your work, but for you to exemplify your expertise in your field.  

Failing your dissertation  

Nobody wants to think about failing, but unfortunately, you can fail your dissertation. However, let’s talk about a few things before we just leave it at that. First, if you are afraid of failing your dissertation, this is something that you should speak to your advisor about. They can help you determine if there should be legitimate concerns or if you are getting in your own head.  

Second, even if you do fail your dissertation, you are usually allowed to resubmit one time. This of course is not ideal, but it does give you a little room to breathe. Your goal is to do great from the start, but remember this is not an easy task. You’ll likely have plenty of bumps along the way! 

Again, if you have concerns about failing, address them sooner rather than later and seek help. There are bound to be plenty of people and services around you, as well as additional services that you can pay for which will help review your materials and guide you along.

When Rose Lorenzo got close to finishing her  master’s degree  at University of Phoenix (UOPX), she came to a crossroads. She could walk away with her degree and focus on building her company,  Lorenzo Financial , or she could scratch the itch for more academic knowledge and pursue her doctorate.

Lorenzo chose the latter. (And  still  managed to build her company, lay the groundwork to  launch a new school  and eventually get accepted to law school.)

“Although I knew what I wanted to study, I wish I had known how to choose the right topic and how to narrow that topic down before I started,” Lorenzo recalls.

Lorenzo, of course, is talking about the  dissertation , that book-length document that’s both the capstone of the doctoral degree and the driving force behind a doctoral program’s years of study and academic research.

But settling on a topic is just one part of a process that can intimidate even the most determined scholar. What’s exactly involved in a dissertation? And what’s the point of one anyway? Here, we take a deeper dive into the dissertation experience.

What is a dissertation?

A dissertation is an academic document prepared by a doctoral student that contains  original research  about a topic. The student identifies the  topic, conducts the research, writes the dissertation and defends it in front of a committee led by a dissertation chair and other doctoral faculty who decide whether the research meets the doctoral level research standards. If it does, the student will successfully complete the doctoral program, have their dissertation published in ProQuest and earn a terminal degree , which means the highest education level that can be earned in a field.

The dissertation, in other words, is important. But why all the fuss in the first place? According to Rodney Luster, PhD, a dissertation can enhance society’s overall  knowledge and understanding about an issue and ignite a person’s area of interest and expertise, as well as enhance that expertise .

Luster is the chair for the Center for Leadership Studies and Organizational Research within the College of Doctoral Studies at University of Phoenix , and he points to his own dissertation by way of example. 

His research concerned what is currently known as vicarious trauma, a phenomenon he witnessed among his college students after the 9/11 attacks. His students hadn’t been anywhere near the attack, and yet he noticed they displayed classic signs of trauma. This piqued his interest.

“I was able to conduct what I understand was the first research study looking at  vicarious trauma  in the general population, and that has opened up a lot of doors,” Luster explains.

Now an expert on the concept, he has seen the phenomenon after subsequent events, such as Hurricane Katrina.

Lorenzo’s research was more tailored to her area of interest. She ultimately whittled down her topic from how leadership impacts entrepreneurial success or failure to how it impacts female entrepreneurs specifically.

Some people may confuse a dissertation with a thesis, but they’re not the same thing. While similar in nature in that they are both the capstone of an academic program, the biggest difference is where a dissertation and a thesis fit in the educational journey. As explained, a doctoral student completes a dissertation, while a thesis is a research paper for a master’s-level student or sometimes within a bachelor’s program. 

There are other differences as well. One is the level of research involved. Often, a thesis is based on existing research. This means that an undergrad or graduate student will compile various research findings to defend a theory or idea in a thesis. A dissertation on the other hand requires doctoral students to conduct, present and defend their own research.

The two documents differ in length too. A thesis is often much shorter and can range from 40 to 60 pages for an undergraduate thesis and from 60 to upward of 100 pages for a master's thesis. A dissertation is 150 to 300 pages, or 80,000 to 100,000 words. As noted, whether it’s presented in front of a panel of faculty or academics as an oral defense is another key difference. This is often required for a dissertation, but oral defense of a thesis may depend on the program or institution.

How to write a dissertation

Figuring out a dissertation topic is a process as individualized as the students in a doctoral degree program. Luster usually encourages candidates to  begin with a title .

“That’s going to be your selling point for everything, and it has to be understandable. It must be concise. It must have a theoretical construct in it. The title will take you a lot of places and will help lead you into the writing process.”

To this Lorenzo adds a less lofty but equally valid cross-check: She learned to really drill down any topic with the question, “ Who cares? ” If there are people who are invested in learning more about the topic (if there are, in other words, people who care), it may warrant further research.

These preliminary exercises lay a solid foundation for the dissertation process, but the actual research and writing can still feel intimidating. Luster, for example, had written a book before starting his dissertation, and points out that a dissertation “is not like any other writing that you’ve done.”

So, where do you start? At UOPX, you start in your first class.

Understanding ACCESS

The dissertation process at UOPX was revamped and rolled out in September 2019, notes Shawn C. Todd-Boone, EdD, the associate dean for ACCESS, research and residency at the College of Doctoral Studies.

Luster says the process was reimagined based on extensive feedback and on a desire to make the process more effective and efficient.

One of the first ways the dissertation process changed was with the development of  ACCESS , an acronym for “ advancing community, critical thought, engagement, scholarship and success .”

This sequence is incorporated into the first three interdisciplinary courses of any doctoral program at UOPX with an eye toward introducing doctoral candidates to what Luster calls a “theoretical mindset.”

The ACCESS program attempts to nurture a culture of inquiry that helps retain doctoral candidates while inspiring them to innovate in their fields, Boone says.

ACCESS, in other words, sets the tone for the entire doctoral process, which is founded on innovation, research and critical thinking.

Writing the dissertation occurs in what Luster describes as five phases over the course of different classes. These are:

  • Phase 1: Develop a  prospectus , which is an outline of the research project.
  • Phase 2: Draft the first chapter of the dissertation, which is known as the  précis .
  • Phase 3: Undergo a  concept review  and develop the second chapter.
  • Phase 4: Focus on the  proposal , write the third chapter and review chapters one through three.
  • Phase 5: Obtain the approval of the  Institutional Review Board , which evaluates research according to the University’s ethical standards.

The five phases of the dissertation writing process aren’t ubiquitous. Doctoral students work on a dissertation while going through the program at UOPX — which was very much intentional, according to Boone.

“We have five phases in the dissertation process and a deliverable at the end of each phase to encourage students to finish and to complete on time if they commit to the process,” Boone explains.

This is a notable improvement, according to Lorenzo. “It is more effective to start your research on day one than wait, because it's easier to identify the gap in research and eliminate wasted research time on topics that are not relevant to your study, and [it] helps contribute to the literature review of the study,” she says.

But this process isn’t the only benefit UOPX students enjoy. The doctoral program has several other distinctive features:

  • Once upon a time, students interviewed potential research chairs to take on the oversight of their program. The result was stressful, with doctoral candidates often casting a wide net in the hope of securing a chair and then potentially ending up with someone who wasn’t quite the perfect fit. Today, UOPX takes the stress and potential mismatch out of the equation. “Students do not search for  dissertation committee members ,” Boone says. “We assign them.”
  • Dissertations from UOPX tend to focus on  functional application  more so than just theory, Luster notes. This means topics have real-world applications, and communities and industries may benefit from the research. For example, one recent dissertation explored the integration of nurse graduates into hospital settings during COVID-19.
  • Doctoral candidates have access to  diverse and extensive resources . In addition to comprehensive documentation about the dissertation process at UOPX, candidates can leverage one-on-one appointments with the University’s library staff, engage in workshops with research chairs and seek opportunities to work as research assistants.
  • Rather than what Luster calls a sink-or-swim approach, UOPX has invested in a  mentor-driven approach . “I think that makes us largely different and successful with students, especially adult learners,” Luster says.

In the end, that sense of a safety net — both in terms of mentorship and the doctoral community itself — is one of the biggest reassurances doctoral candidates enjoy.

Lorenzo, for example, keeps in touch with a core group of colleagues she met through the program. “No one understands what you’re going through except for [your peers],” she notes.

Or, as Luster puts it: “You don’t have to worry, because you’ll acquire this information along the way, and you have a lot of good people to help you.”

How long is a doctoral dissertation?

Most are 100 to 300 pages and organized by chapters and/or sections and subsections. There are also often requirements for text size, page size and spacing that can depend on your doctoral program.

What are the parts of a dissertation?

Filing your doctoral dissertation at the Graduate Division is one of the final steps leading to the award of your graduate degree. Your manuscript is a scholarly presentation of the results of the research you conducted. UC Berkeley upholds the tradition that you have an obligation to make your research available to other scholars. This is done when you submit your dissertation for publishing through the ProQuest online administration system and the Graduate Division forwards your manuscript to the University Library. Your dissertation is subsequently published online in the UC system’s scholarship repository ( eScholarship ) and made available within ProQuest/UMI after your doctoral degree is officially conferred by the Academic Senate.

Your faculty committee supervises the intellectual content of your manuscript and your committee chair will guide you on the arrangement within the text and reference sections of your manuscript. Consult with your committee chair early in the preparation of your manuscript.

The specifications in the following pages were developed in consultation with University Library. These standards assure uniformity in the degree candidates’ manuscripts to be archived in the University Library, and ensure as well the widest possible dissemination of student-authored knowledge.

If your research activities involve human or animal subjects, you must follow the guidelines and obtain an approved protocol  before you begin your research.  Visit our web page for more information  or contact the Committee for the Protection of Human Subjects ( http://cphs.berkeley.edu/  or 642-7461) or the Animal Care and Use Committee ( http://www.acuc.berkeley.edu/  or 642-8855).

In addition to the considerations explained below, your Expected Graduation Term (EGT) must match the term for which you intend to file. EGT can be updated at any time using an eForm available in CalCentral.

To be eligible to file for your degree, you must be registered or on approved Filing Fee status for the semester in which you file. We encourage you to file your dissertation as early in the semester as you can and to come in person to our office to submit your supporting documents. If you cannot come to our office, it is helpful if you have a friend bring your documents. The deadline to file your dissertation in its final form is the last day of the semester for your degree to be awarded as of that semester.

Filing during the summer has a slightly different set of eligibility requirements. If you were fully registered during the immediately preceding Spring semester, and have not used Filing Fee already, you may file your dissertation during the summer with no additional cost or application required. Summer is defined as the period from the day after the Spring semester ends (mid-May) until the last day of the Summer Sessions (mid-August).

International students completing a degree in the Summer should consult Berkeley International Office before finalizing plans, as in some cases lack of Summer enrollment could impact visa status or post-completion employment.

If you have already used Filing Fee previously, or were not registered the preceding Spring semester, you will need to register in at least 1.0 unit in Summer Sessions in order to file.

Dissertations filed during the summer will result in a summer degree conferral.

You must be advanced to candidacy, and in good standing (not lapsed), in order to file.

All manuscripts must be submitted electronically in a traditional PDF format.

  • Page Size : The standard for a document’s page size is 8.5 x 11 inches. If compelling reasons exist to use a larger page size, you must contact the Graduate Division for prior approval.
  • Basic manuscript text must be a non-italic type font and at a size of 12-point or larger. Whatever typeface and size you choose for the basic text, use it consistently throughout your entire manuscript. For footnotes, figures, captions, tables, charts, and graphs, a font size of 8-point or larger is to be used.
  • You may include color in your dissertation, but your basic manuscript text must be black.
  • For quotations, words in a foreign language, occasional emphasis, book titles, captions, and footnotes, you may use italics. A font different from that used for your basic manuscript may be used for appendices, charts, drawings, graphs, and tables.
  • Pagination:  Your manuscript is composed of preliminary pages and the main body of text and references. Page numbers must be positioned either in the upper right corner, lower right corner, or the bottom center and must be at least ¾ of an inch from the edges. The placement of the page numbers in your document must be consistent throughout.

Be Careful!  If you have any pages that are rotated to a landscape orientation, the page numbers still need to be in a consistent position throughout the document (as if it were printed and bound single-sided).

Do not count or number the title page or the copyright page. All other pages must have numbers. DO NOT SKIP PAGE ” 1 “. The remaining preliminary pages may include a table of contents, a dedication, a list of figures, tables, symbols, illustrations, or photographs, a preface, your introduction, acknowledgments, and curriculum vitae. You must number these preliminary pages using  lower case Roman numerals  beginning with the number “i” and continue in sequence to the end of the preliminary pages (i, ii, iii, iv, v, etc.). Your abstract must have  Arabic numeral  page numbers. Start numbering your abstract with the number “1” and continue in sequence (1, 2, 3, etc.) The main body of your text and your references also use Arabic numerals. Start the numbering of the main body with the number “1” and continue in sequence (1, 2, 3, etc.), numbering consecutively throughout the rest of the text, including illustrative materials, bibliography, and appendices.

Yes! The first page of your abstract and the first page of your main text both start with ‘1’

  • Margins:  For the manuscript material, including headers, footers, tables, illustrations, and photographs, all margins must be at least 1 inch from the edges of the paper. Page numbers must be ¾ of an inch from the edge.
  • Spacing:  Your manuscript must be single-spaced throughout, including the abstract, dedication, acknowledgments, and introduction.
  • Tables, charts, and graphs  may be presented horizontally or vertically and must fit within the required margins. Labels or symbols are preferred rather than colors for identifying lines on a graph.

You may choose to reduce the size of a page to fit within the required margins, but be sure that the resulting page is clear and legible.

Certain pages need to be formatted in a very specific way. Links are included here for examples of these pages.

Do not deviate from the wording and spacing in the examples, except for details applicable to you (e.g. name, major, committee, etc.)

  • As noted in the above section on pagination, the abstract must be numbered  separately with Arabic numerals starting with ‘1’
  • If you have a Designated Emphasis, it must be listed on your abstract.
  • IMPORTANT: A physical signature page should no longer be included with your dissertation. Approvals by your committee members will be provided electronically using an eForm.
  • The title page does not contain page numbers.
  • Do not bold any text on your title page.
  • The term and year listed on the title page must be the term of your degree. If you filed during the summer, write  Summer .
  • The yellow bubbles in the sample are included for explanatory purposes only. Do not include them in your submission.
  • If you have a Designated Emphasis, it must be listed on your title page ( DE Title Page Sample )
  • If you are receiving a joint degree, it must be listed on your title page ( Joint Title Page Sample )

The proper organization and page order for your manuscript is as follows:

  • Copyright page or a blank page
  • Dedication page
  • Table of contents
  • List of figures, list of tables, list of symbols
  • Preface or introduction
  • Acknowledgments
  • Curriculum Vitae
  • Bibliography

Please do not include an approval/signature page.

After you have written your dissertation, formatted it correctly, assembled the pages into the correct organization, and obtained verbal approval from your committee, you are ready to file it with UC Berkeley’s Graduate Division.

  • Step 0: Confirm your eligibility to file. Your Expected Graduation Term (EGT) must be current term (i.e. the term in which you expect to file your dissertation). If you need to update your EGT you can use the eForm available in CalCentral. Once your EGT is correct, you will see a number of checklist items (“Tasks”) created for you in CalCentral. You use these checklist items to proceed with filing.
  • Step 1: Convert your dissertation into a standard PDF file.
  • Step 2:  Upload your PDF to ProQuest/UMI ( http://www.etdadmin.com ) Follow the instructions on the site. NOTE: DO NOT UPLOAD A DRAFT.  Once your dissertation has been submitted, you will not be allowed to make changes. Be sure that it is in its final form!
  • Step 3:  When you have successfully submitted the document, a message will be sent to the Graduate Degrees Office to review it on-line.  After Degrees staff has reviewed it you will either receive a message that the manuscript has been accepted or that you need to make further changes. If you need to make more changes, you will need to edit your manuscript, create a new PDF, and resubmit it to ProQuest.  Degrees staff will then need to review it again. An email approval will be sent to you once the manuscript is accepted.
  • Step 4: There are two surveys to be completed:the Survey of Earned Doctorates and the Berkeley Doctoral Exit Survey. You will find these surveys as “Tasks”in your CalCentral dashboard (as long as you have a current-term EGT). Follow the instructions to complete the surveys and enter the verification codes. You should see the checklist items complete automatically.
  • Review the your committee and email addresses listed — the form will route to each of your committee members for approval.
  • If you chose to embargo your dissertation, you will not receive any copies you order from ProQuest until the embargo is lifted.
  • Once the form has been filed, you may not make any changes to your embargo selections
  • Attach a copy of the approval letter for your study protocol from the Committee for Protection of Human Subjects, or the Animal Care and Use Committee if your research involved human or animal subjects.

A Note on Deadlines

You must upload your electronic dissertation AND submit your final signature eform before 5 p.m. on the last day of the term. Both of these steps must be done before the deadline, regardless of whether your submission has been reviewed and approved. We can not provide a receipt of filing until your dissertation has been reviewed and accepted (which can take up to 4 business days), but you will get credit for the date of first submission.

If you plan use of your own previously published and/or co-authored material in your manuscript, your committee chair must attest that the resulting dissertation represents an original contribution of ideas to the field, even if previously published co – authored articles are included, and that major contributors of those articles have been informed.

Previously published material must be incorporated into a larger argument that binds together the whole dissertation. The common thread linking various parts of the research, represented by individual papers incorporated in the dissertation, must be made explicit, and you must join the papers into a coherent unit. You are required to prepare introductory, transitional, and concluding sections. Previously published material must be acknowledged appropriately, as established for your discipline or as requested in the original publication agreement (e.g. through a note in acknowledgments, a footnote, or the like).

If co-authored material is to be incorporated (whether published or unpublished), all major contributors should be informed of the inclusion in addition to being appropriately credited in the dissertation according to the norms of the field.

If you are incorporating co-authored material in your dissertation, it is your responsibility to inform major contributors. This documentation need not be submitted to the Graduate Division. The eform used by your committee chair to sign off on your dissertation will automatically include text indicating that by signing off they attest to the appropriateness and approval for inclusion of previously published and/or co-authored materials. No addition information or text needs to be added.

Publishable papers and article-length essays arising from your research project are acceptable only if you incorporate that text into a larger argument that binds together the whole dissertation or thesis. Include introductory, transitional, and concluding sections with the papers or essays.

You own copyright in your dissertation. Copyright is automatically created once your work is fixed in a tangible medium (such as saved on your computer hard drive or in cloud storage). Thus, you do not need to register copyright in your dissertation in order to be the copyright holder.

However, registering copyright in your dissertation has certain advantages: First, if your work is registered, you have evidence that you are indeed the author and owner. Second, registration allows greater enforcement of your copyright against an infringer or plagiarist, making available statutory damages set out in Title 17, Section 504 of the U.S. Code, which range from $750 – $150,000 plus attorney fees per copyright infraction. Accordingly, UC Berkeley recommends that you register copyright for your dissertation. You can register copyright through the Copyright Office’s website, www.copyright.gov , for a fee of $35, or through the ProQuest ETDAdmin system when you submit your PDF; doing so through ProQuest costs $55.

You continue to own copyright in your dissertation unless and until you transfer your copyright to another party. By complying with the UC Berkeley Graduate Division’s publishing policies, you are permitting the university to make available a copy of your dissertation online in eScholarship, but you are not transferring your copyright. You grant a similar permission to ProQuest/UMI, the exact terms of which are governed by the agreement with ProQuest you sign in the online submission process. You may request delays (i.e. embargoes) in the release of your dissertation both on eScholarship and in ProQuest. Please see “Publishing Your Dissertation; Embargoes”.

If you are including content in your dissertation not authored or created by you, be sure to consider copyright issues. The University Library can help guide you as you consider these questions. For more detail, please consult the Library’s helpful online guide, entitled Copyright and Publishing Your Dissertation .

  • If the content is in the public domain, then you need not get any permission to use the material. For questions about the public domain, see http://copyright.universityofcalifornia.edu/use/public-domain.html.
  • If the content you wish to use is subject to a Creative Commons license of some form, you need simply abide by the term of that license. For instance, a CC-BY license means you can use the work without seeking the author’s permission, but must attribute the work to the author. For more on Creative Commons licenses, see https://creativecommons.org/licenses/.
  • If the content you wish to use is protected by copyright and no Creative Commons license governs its use, then you must consider whether your use constitutes Fair Use under 17 USC § 107. If your use of the content is a fair use within copyright law, then you need not seek the author’s permission before using it. See http://copyright.universityofcalifornia.edu/use/fair-use.html.
  • If your use of the content would exceed fair use under the Copyright Act, then you will need to seek the copyright holder’s permission in order to use the material. UC Berkeley’s Graduate Council regulations stipulate that you have an obligation to make your research available to other scholars as part of the degree requirement.  This obligation is consistent with the long-standing principle that doctoral students share their significant scholarly contributions to advance knowledge. This requirement is fulfilled when you submit your dissertation for publishing through the ProQuest online administration system and the Graduate Division forwards your manuscript to the University Library. Your dissertation is subsequently published online in the UC system’s scholarship repository ( eScholarship ) and made available within ProQuest/UMI after your doctoral degree is officially conferred by the Academic Senate.

Making your work available to be read online immediately in eScholarship or ProQuest has many advantages. First, it clearly establishes when your work was created and published, which are powerful resources in preventing or combatting plagiarism. Others will be able to discover your prior publication. Second, it can help support your scholarly profile because people can read and begin citing your work. Citation of your dissertation by others can be offered as evidence of research significance in employment reviews. Further, research available through searches on the Internet can promote contacts that are international in scope and interdisciplinary in reach.

Occasionally, there are circumstances in which you prefer that your dissertation not be published immediately. Such circumstances may include the disclosure of patentable rights in the work before a patent can be granted, similar disclosures detrimental to the rights of the author, or disclosures of facts about persons, institutions, or locations before professional ethics would permit.

The Dean of the Graduate Division may permit the dissertation to be withheld from full-text publication in eScholarship for a specified and limited period of time. An embargo of up to 2 years can be selected on the Final Signature eForm. Once you make a selection regarding an embargo, it may not be changed. Discuss the pros and cons of withholding your dissertation with your faculty committee and departmental advisors. Embargoes beyond the initial 2-year option must be requested pursuant to a petition process using the E mbargo Extension Petition Form . Extensions are granted at the discretion of the Graduate Division, and are based on substantiated circumstances of the kind indicated above and with the endorsement of and an explanatory letter from the chair of the dissertation committee (or, if the dissertation chair is unavailable, the current department chair). Be sure to submit the petition form with sufficient time (at least three months) prior to the expiration of your original embargo to ensure adequate processing time prior to your dissertation’s scheduled release. If a renewal request is submitted less than three months from when the original embargo is set to expire, the Graduate Division cannot guarantee that the request will be processed and granted in time to preclude your dissertation from being made publicly available. Please note that it is your responsibility to request an extension beyond the two-year maximum from both the University and separately through ProQuest/UMI if you would like to extend your embargo both on eScholarship and on ProQuest/UMI.

Changes are normally not allowed after a manuscript has been filed.  In exceptional circumstances, changes may be requested by having the chair of your dissertation committee submit a memo to the Associate Dean and sent to Graduate Services: Degrees, 318 Sproul Hall.  The memo must describe in detail the specific changes requested and must justify the reason for the request. Such requests will not be approved for typographical errors, acknowledgments, or other minor revisions. It is your responsibility to ensure that your manuscript is in its final form before submitting it. If such a request is approved, the changes must be made prior to the official awarding of the degree. Once your degree has been awarded, you may not make changes to the manuscript.

After your dissertation is accepted by Graduate Services: Degrees, it is held here until the official awarding of the degree by the Academic Senate has occurred. This occurs approximately two months after the end of the term. After the degree has officially been awarded, the manuscripts transmitted to the University Library and to ProQuest Dissertations Publishing.

Posting the Degree to Your Transcript

Your degree will be posted to your transcript approximately 10 weeks after the conferral date of your degree. You can order a transcript from the Office of the Registrar (https://registrar.berkeley.edu/academic-records/transcripts-diplomas/).

Your diploma will be available from the Office of the Registrar approximately 4 months after the conferral date of your degree. For more information on obtaining your diploma, visit the Registrar’s website.  You can obtain your diploma in person at the Office of the Registrar, 120 Sproul Hall, or submit a form and pay the current mailing fees to have it mailed to you.

Unclaimed diplomas are retained for a period of five (5) years only, after which they are destroyed.

  • The most common mistake is following a fellow (or previous) student’s example. Read the current guidelines carefully!
  • An incorrect committee — the committee listed on your title page (and on the final signature eform you will submit) must match your currently approved committee. If you have made any changes to your committee since Advancement to Candidacy, you must request an official change from the Graduate Division. Consult your departmental adviser for details.
  • Do not use a different name than that which appears in the system (i.e. the name on your transcript and Cal Central Profile ). Students are allowed to use a Lived Name, which can be updated by self-service in CalCentral.
  • Page numbers — Read the section on pagination carefully. Many students do not paginate their document correctly.
  • Page rotation — some pages may be rotated to a landscape orientation. However, page numbers must appear in the same place throughout the document (as if it were bound like a book).
  • If you have an approved designated emphasis, it must be listed on your title page  and  your abstract.
  • Do not include the signature/approval page in your dissertation. The abstract must be  unsigned .
  • Do not include previous degrees on your title page.
  • There should be no bold text on your title page.

In May 2005, the Graduate Council established new guidelines for the inclusion of mixed media content in dissertations. It was considered crucial that the guidelines allow dissertations to remain as accessible as possible and for the longest period possible while balancing the extraordinary academic potential of these new technologies.

The dissertation has three components: a core thesis, essential supporting material, and non-essential supplementary material.

Core Thesis.  The core thesis must be a self-contained, narrative description of the argument, methods, and evidence used in the dissertation project. Despite the ability to present evidence more directly and with greater sophistication using mixed media, the core thesis must provide an accessible textual description of the whole project.

The core thesis must stand alone and be printable on paper, meeting the formatting requirements described in this document. The electronic version of the thesis must be provided in the most stable and universal format available — currently Portable Document Format (PDF) for textual materials. These files may also include embedded visual images in TIFF (.tif) or JPEG (.jpg) format.

Essential Supporting Material.  Essential supporting material is defined as mixed media content that cannot be integrated into the core thesis, i.e., material that cannot be adequately expressed as text. Your faculty committee is responsible for deciding whether this material is essential to the thesis. Essential supporting material does  not include the actual project data. Supporting material is essential if it is necessary for the actual argument of the thesis, and cannot be integrated into a traditional textual narrative.

Essential supporting material  must  be submitted in the most stable and least risky format consistent with its representation (see below), so as to allow the widest accessibility and greatest chance of preservation into the future.

Non-essential Supplementary Material.  Supplementary material includes any supporting content that is useful for understanding the thesis, but is not essential to the argument. This might include, for example, electronic files of the works analyzed in the dissertation (films, musical works, etc.) or additional support for the argument (simulations, samples of experimental situations, etc.).

Supplementary material is to be submitted in the most stable and most accessible format, depending on the relative importance of the material (see below). Any supplemental material must be uploaded to the ProQuest website under the “Supplemental Files” section.

Note . ProQuest and the Library will require any necessary 3rd party software licenses and reprint permission letters for any copyrighted materials included in these electronic files.

The following is a list of file formats in descending order of stability and accessibility. This list is provisional, and will be updated as technologies change. Faculty and students should refer to the Graduate Division website for current information on formats and risk categories.

Category A:

  • TIFF (.tif) image files
  • WAV (.wav) audio files

Category B:

  • JPEG, JPEG 2000 (.jpg) image files
  • GIF (.gif) image files

Category C:

  • device independent audio files (e.g., AIFF, MIDI, SND, MP3, WMA, QTA)
  • note-based digital music composition files (e.g., XMA, SMF, RMID)

Category D:

  • other device independent video formats (e.g., QuickTime, AVI, WMV)
  • encoded animations (e.g., FLA or SWF Macromedia Flash, SVG)

Q1: Can I file my dissertation during the summer?

A1: Yes. There are 2 ways to file during the summer:

  • Register for at least 1.0 unit through Berkeley Summer Sessions. With this option, you can file any time before the summer deadline .
  • Register the preceding spring semester. As long as you were registered in the spring, and have not used filing fee before, you will be allowed to file during the summer without additional fees or applications.

Q2: If I chose that option, does it matter which session I register in during the summer session?

A2: No. You can register for any of the sessions (at least 1.0 unit). The deadline will always be the last day of the last session.

Q3: If I file during the summer, will I receive a summer degree?

A3: Yes. If you file before the end of the summer sessions, you will receive a summer degree. Remember to write “Summer” on your title page!

Q1: I’ve seen other dissertations from former students that were / that had  __________, should I follow that format?

A1: No. The formatting guidelines can be changed from time to time, so you should always consult the most current guidelines available on our website. This question is most frequently asked in regard to the issue of double vs. single spacing.

Q2: I want to make sure that my dissertation follows the formatting rules. What’s the best way to do this?

A2: If you’ve read and followed the current guidelines available on our website, there shouldn’t be any problems. You can upload your dissertation as soon as it is in its final form. If any changes are necessary, you will be given the opportunity to make them without penalties. If you’ve heard horror stories from other students about formatting changes in their manuscripts, you’ve likely been talking to past students who didn’t follow the directions and had to print out their dissertations on expensive, archival paper. Current students submit their dissertations electronically and, as such, it’s much easier and more painless to make changes!

You are also always welcome to bring sample pages into the Graduate Degrees Office at 318 Sproul Hall to have a staff member look over your manuscript.

Q3:  Does my signature page need to be printed on some special paper?

A3: Signatures are now an eForm process. A physical signature page is no longer required.

Q1: I’m away from Berkeley. Is there any way to file my dissertation remotely?

A1: Yes! The whole process is done remotely.

Q2: Can I have a friend bring my dissertation materials for me?

A2: Yes. Please see the answer above regarding filing remotely.

Q3: I read something about needing to allow 4 days to review my dissertation. So what is the actual deadline?

A3: Two things must happen before the end of the business day on the stated deadline: 1) you must have uploaded your dissertation to the ProQuest website and 2) you must have completed all the checklist items that appear in CalCentral (final signature eform and 2 surveys). Though it is not recommended, you can do both of these things on the very last day.

Q4: So what’s this thing about the 4 days?

A4: As you might expect, the Degrees Office receives hundreds of dissertations near the end of the term (in fact, half of all dissertations are submitted during the final week). This means that it may take several days for us to review your dissertation. Don’t worry. You’ll get credit for the date that you uploaded your dissertation. However, it may take up to 4 business days to review your submission and, if everything is acceptable, provide you a Receipt of Filing.

Q5: Can I do the Final Signature eForm before I upload my dissertation?

A5: Yes. We won’t be able to finalize your filing until everything has been reviewed and approved, but you are welcome to do those in any order.

Q6: What’s a Receipt of Filing? Do I need one?

A6: The Receipt of Filing is an official document that we produce that certifies that you have successfully filed your dissertation on the specified day and that, if all other requirements are met, the date of the degree conferral.

Some students may need the receipt in order to prove to an outside agency that they have officially filed their dissertation. Many students simply keep the receipt as a memento. Picking up your receipt is not required.

Q7: What’s the difference between a Receipt of Filing and a Certificate of Completion?

A7: A Receipt of Filing is automatically produced for all students upon successful filing of their dissertation. However, it only certifies that the dissertation has been accepted. The Certificate of Degree Completion  must be requested. It will state that all requirements  have  been met and notes the date that the degree will be conferred. This is a useful document for students who file early in the semester and need some verification of their degree in advance of its conferral (note: degrees are only conferred twice each year).

Q8: How do I know if I’m eligible for a Certificate of Completion?

A8: In order to be eligible to receive a Certificate of Completion, you must:

  • Successfully file your dissertation (your online submission accepted as well as paperwork turned in)
  • Have a fully satisfied Academic Progress Report (APR). The APR all the degree requirements as noted by your department. If there are requirements showing as “unmet” but you believe you have completed, please contact your GSAO.
  • Pay all of your registration fees. While it may not necessarily hold up the production of your certificate, it is important that all fees are paid before the degree is conferred.

Q9: I’m supposed to bring in my approval letter for research with human subjects or vertebrate animals, but it turns out my research didn’t use this after all. What should I do?

A9: If your research protocol has changed since you advanced to candidacy for your degree, you’ll need to ask you dissertation chair to write a letter to the Graduate Division explaining the change. It would be best to submit this in advance of filing.

Q10: My dissertation uses copyrighted or previously published material. How do I get approval?

A10: The policy on this has recently changed. There is no need to for specific approval to be requested.

Q12: I uploaded my dissertation on the last day. What if I’m told I need to make changes?

A12: This won’t be a problem. If there are formatting issues that need to be resolved, you will be notified and be given the opportunity to make revisions – even if it is a few days after the deadline. As long as your dissertation was originally uploaded before the deadline. Obviously, we won’t be able to provide you a receipt (see Q above on Receipt of Filing) until everything has been finalized.

Q13: I found a typo in dissertation that has already been accepted! What do I do?

A13: Once a dissertation has been submitted and accepted, no further changes will be permitted. Proofread your document carefully. Do not upload a draft. In extreme circumstances, your dissertation chair may write a letter to the Graduate Division requesting additional changes to be made.

Q14: Oh no! A serious emergency has caused me to miss the filing deadline! What do I do? Are extensions ever granted?

A14: In general, no. In exceptional circumstances, the Head Graduate Advisor for your program may write to the Graduate Division requesting an extension. Requests of this type are considered on a case-by-case basis and, if granted, may allow you to file after the deadline. However, even if such an exception is granted you will receive the degree for the subsequent term. Your first step is to consult with your department if an emergency arises.

The dissertation is the final requirement for the PhD degree.

The research required for the dissertation must be of publishable quality and a significant contribution in a scholarly field. The dissertation is evidence of the candidate’s proficiency and future potential in research.

Students work closely with faculty throughout the program, and especially in the final phase of dissertation research. These faculty members share with the student the exploration of the field, first as advisors and teachers, and later as colleagues joined to advance the science of management.

Academic Advising and Mentoring

Upon arrival at UCSC, departments will assign faculty advisors to newly matriculated students. Advisors are personal consultants on academic matters and serve as a liaison between students and their department in procedural matters, such as oral examinations and the submission of a thesis. Students are urged to maintain close and frequent contact with their advisor. Graduate Students may petition to change advisors by working with the department/program chair and faculty graduate representative.

Graduate programs are expected to have well-defined criteria for completion of degree programs and to keep students informed of all changes in the rules, policies, and procedures in the graduate program which affect them. Formal evaluation of students at the end of their first quarter of attendance is recommended, and an annual review of all students is mandatory. This provides encouragement and support for continuing graduate students, and helps to identify potential problems.

While each academic unit is free to develop its own process of student evaluation and advising, it is generally accepted that certain elements are essential:

  • Within the context of each course in which the student enrolls, an evaluation of the student’s performance by the instructor;
  • For those students engaged in research activities, frequent evaluation and advising on an informal basis by the supervising member of the faculty;
  • Continuing supervision of dissertation or thesis work by the primary faculty advisor with progress evaluated and discussed with the student on at least a quarterly basis.

Each department establishes its own procedure for annual graduate student review. Procedures may differ, depending on their program plan and timeline.  

Annual evaluation is the joint responsibility of the faculty advisor or the chair of the student’s doctoral committee, the Faculty Graduate Representative, and the Staff Graduate Representative.  An evaluation should include a brief review of the student’s work to date, with particular attention to the period since the last report, describing the student’s progress toward the degree, pointing out any areas in which improvement is recommended or required, and establishing academic objectives for the following period. The annual evaluation contains an assessment as to whether academic progress towards the degree during the past academic year is satisfactory or unsatisfactory.

The results of annual reviews are committed to writing and signed by the faculty advisor and another faculty member. This ensures evaluation and consent by more than one individual faculty member, who may also be a principal source of financial and other support. Before a doctoral student has advanced to candidacy, the second signer may be the Graduate Representative; after advancement, a second thesis committee member must also sign. The annual evaluations are distributed to the student and kept in the student’s file in the department office. They form the basis for decisions about continued financial support, academic notice and/or disqualification, extensions of financial aid beyond normative time, and other matters.

These Mentoring Guidelines have been reviewed and approved by the Graduate Council, Graduate Division and Graduate Student Association in fall 2006

In general, the goal of this document is to provide suggestions on how to conduct constructive interactions between graduate students and their mentors, and to encourage the development of positive, supportive and respectful relationships between graduate students and their faculty advisors. The development of every graduate student requires many shared responsibilities on the parts of both student and faculty member, and a strong commitment to ethical treatment of all. For constructive mentoring, departments should provide intellectual support and guidance to the graduate student. For all involved, an attitude of honesty, courtesy and professionalism is crucial to this process.

Below we suggest, as an opening dialogue, the responsibilities that the relevant campus constituencies should embrace;

Graduate Division Responsibilities

  • Maintain the Graduate Division Handbook
  • Provide leadership on issues of graduate student welfare, training, and education, including the mentoring of graduate students
  • Provide teaching assistant orientation programs

Graduate Council Responsibilities

  • Review graduate programs
  • Ensure that each department publish and disseminate a departmental graduate handbook
  • Provide guidance to the Vice Provost and Dean of Graduate Studies

Department Responsibilities

  • The department may delegate these responsibilities to staff, department chair, or to a graduate program committee.
  • Publish and keep up to date a departmental grad handbook for requirements towards degrees
  • Provide orientation programming for new graduate students annually, separate and in concert with Graduate Division and GSA activities
  • Provide seminars (formal + informal), separately and in concert with Graduate Division activities
  • Ensure graduate students have an advisor and meet degree requirements in a timely manner
  • Assist graduate student with department and university degree requirement logistics
  • Foster professional writing, presentation skills and career development in all aspects

Department Chair Responsibilities

  • Ensure degree requirement exams follow departmental and university guidelines
  • Mediate conflicts between graduate student and advisor

Thesis Committee Responsibilities

  • Meet or comment on a PhD candidate’s progress annually once the Qualification Exam has been passed
  • Be available to the graduate student for feedback and guidance
  • Provide timely thesis and dissertation review

Faculty Adviser Responsibilities

Bear in mind the consequences of agreeing to be an advisor:

  • Be available to graduate student for feedback and guidance
  • Suggest thesis committee members
  • Encourage graduate student to utilize literature and other resources
  • Assist in grant writing and peer review skills
  • Write reference letters
  • Arrange alternate supervision during sabbaticals
  • Write at least one annual narrative evaluation of the student’s progress

Graduate Student Responsibilities

  • Take initiative to maintain regular communication with advisor and thesis committee; we recommend communication on at least a quarterly basis
  • Adhere to departmental and divisional rules and policies
  • Meet degree requirements Update thesis committee on progress annually before graduation (written or in a meeting)
  • Follow disciplinary and scholarly codes of ethics
  • Obtain proper approvals for research and publication activities.

Maintaining Graduate Degree Status

Students begin graduate degree status when they are admitted to a degree or certificate program by the Graduate Division and complete the registration and fee payments for the quarter of admission. Only coursework taken while a student is in graduate status may be counted toward a graduate degree.

Graduate students who fail to register are not considered to be students; they relinquish the right to use University resources and facilities available to registered students, including faculty time for advising and supervision. An exception is the use of Filing Fee status during the final quarter of degree completion.

When students have been unregistered for some time, departments may ask them to apply for readmission to graduate status and register, particularly when they will be consulting with faculty and using University resources. In some cases, students will be required to prove they are still current in the field either by taking classes or by re-taking a qualifying examination.

English Competency Policy

Academic departments help the Graduate Dean to monitor the campus English competency policy for all prospective Teaching Assistants. The State of California requires that all prospective Teaching Assistants (TAs) whose native language is not English demonstrate competence in oral English communication. There are two testing options for meeting this requirement, the  TOEFL  and the  IELTS  examinations..

Students may take these examinations before arriving to begin work at UCSC. These tests are offered worldwide. Please refer to the  International Applicants  section of our website for further information about acceptable scores for admission and for qualification as a Teaching Assistant. Information regarding English Competency requirements for Teaching Assistants is emailed to all new International students during the summer (July-August). 

Academic Standards of Scholarship

Academic Senate regulations provide that a graduate student may be disqualified or placed on academic notice on grounds of poor academic performance, as determined by the Graduate Dean, upon recommendation of the department. At a minimum, departments conduct an annual review of each graduate student, typically at the end of the academic year, and many conduct reviews on a more frequent basis.

Academic Good Standing

To remain in academic good standing, a student must make timely progress toward degree completion and satisfactorily meet the following standards of scholarship established by the Graduate Council in June 2000.

  • A duly registered graduate student is considered to be in good standing so long as (a) the student not advanced to candidacy undertakes a minimum of two upper division or graduate level courses per quarter and passes a minimum of five 5-credit courses toward a terminal degree or certificate by the end of each academic year; the student advanced to candidacy undertakes and passes at least one course per quarter, usually Thesis Research, OR (b) the student’s department or committee of studies determines that she or he is making satisfactory academic progress toward a terminal degree or certificate, AND (c) the student’s progress meets the minimum criteria indicated below.
  • The academic progress of each continuing graduate student shall be reviewed annually by the student’s department or committee of studies by the end of the spring term.
  • A student whose academic progress is judged not satisfactory will be recommended for academic notice until such time (one academic year, maximum) as her or his progress has become satisfactory once again and the Dean of Graduate Studies has been so informed in writing by the Graduate Representative of the student’s department.
  • Students on academic notice are not eligible for merit fellowship support and will receive lower priority for academic appointments at UCSC (including Teaching Assistant, Teaching Fellow, Graduate Student Researcher, etc.). Special justifications will be required to appoint students on academic notice so long as there are any other students in the program who lack financial support.
  • A student whose academic progress has been found not satisfactory in two successive annual reviews will be subject to dismissal from the University.
  • A full-time student who has been enrolled in the same graduate program for four calendar years without advancing to candidacy for the Ph.D. is not considered to be making satisfactory progress and will be recommended for academic notice until advancement is achieved.
  • A student who has been advanced to candidacy for more than three calendar years is not considered to be making satisfactory academic progress and will be recommended for academic notice for up to one academic year by the student’s department.
  • A full-time master’s degree student is considered not to be making satisfactory progress beyond three calendar years of enrollment and may be recommended for academic notice for up to one academic year by her or his department.
  • Students on academic notice will continue to be eligible for institutional, state, and federal need-based assistance for up to one academic year to support their efforts to make up satisfactory academic progress shortfalls.
  • Students are expected to be registered full-time and making regular good progress during the majority of their career of graduate study at UCSC; leaves are considered exceptional departures from the norm of full-time continuous enrollment. Total leave time during the graduate career at UCSC will be considered by the Dean of Graduate Studies in approving leaves.
  • A student who fails to register promptly following expiration of an approved leave of absence is not in good standing. Leaves of absence are usually granted for no more than three academic quarters, and all requests to extend or renew a leave must be approved in advance by the Dean of Graduate Studies.
  • Only students in good standing are eligible for leaves of absence. Students who are neither registered nor on an approved leave of absence are not in good standing. Only students in good standing are eligible to use the Filing Fee.

Time to Degree

Full-time graduate students are expected to complete their degree objectives within the following maximum time frames:

  • Certificate students: one calendar year from the date of first enrollment in the program
  • Master’s degree students: three calendar years from the date of first enrollment in the program
  • Ph.D. students: six calendar years for all programs except Anthropology, History, History of Consciousness, and Literature, where it is seven years.

Part-time graduate students are subject to the same provisions as full-time students, except that satisfactory progress toward degree completion is measured at a minimum of one course per quarter or three courses per academic year, and the maximum time frame is prorated accordingly: 

  • Certificate students: two calendar years
  • Master’s degree students: six calendar years
  • Ph.D. students: eleven calendar years (eight years to advance to candidacy and an additional three years to complete the dissertation).

For the purpose of measuring satisfactory academic progress, course incomplete, withdrawals, repetitions, and noncredit courses do not count as courses completed.

Appealing Academic Judgments

(En 1 Aug 84; Am 7 Jan 88, 26 May 99, 24 Apr 08, 21 May 09; EC 31 Aug 02, 31 Aug 08, 31 Aug 09) Revisions approved by Graduate Council on May 21, 2009, and effective July 1, 2009 

Students have the right to appeal various institutional judgments concerning their academic standing at UC Santa Cruz including dismissal from graduate standing, placement on academic notice status, narrative evaluation or grade notation, and their academic progress. This appeal procedure applies only to enrolled graduate students at UC Santa Cruz and is not available to appeal denial of admission or readmission to any program. The scope of this procedure is limited to the matters listed above, and excludes complaints regarding student employment as a Teaching Assistant, student discipline, auxiliary student services (such as housing, child care, etc.), and sexual harassment, which are covered by other policies and procedures. This document outlines the four levels of complaint resolution available to graduate students at UC Santa Cruz: Instructor appeal, Departmental appeal, Graduate Dean appeal, and Graduate Council appeal. Throughout all stages of the appeal process, both parties are strongly encouraged to seek informal resolution. The Graduate Dean may be consulted for informal resolution at any stage of the process. In addition graduate students may contact the Office of the Ombudsman for assistance with informal complaint resolution. Working toward informal resolution does not preclude continuation of a formal appeal. However, unless a request for extension of a deadline is granted as provided below, informal resolution efforts shall not serve in any way to stay or extend an applicable filing deadline.

Requests for Extension of Filing Deadlines:

Except as otherwise provided in this policy, any party may for good cause seek an extension of a deadline by filing a request with the Dean of the Division of Graduate Studies. Such request must be submitted in writing prior to the deadline for which an extension is sought, and must explain the reason(s) why an extension is necessary. The decision to grant or deny a request is within the discretion of the Dean and shall be final and binding.

An appeal may be filed based upon one or more of the following grounds, provided that the action complained of has had a material impact on the student’s academic standing:

  • Procedural error or violation of official policy by academic or administrative personnel;
  • Judgments improperly based upon non-academic criteria including, but not limited to, discrimination or harassment on the basis of race, color, national origin, religion, sex, disability, age, medical condition, ancestry, marital status, citizenship, sexual orientation, or status as a veteran or special disabled veteran, or any personal or arbitrary reasons; 
  • Special mitigating circumstances beyond the student’s control not properly taken into account in a decision affecting the student’s academic progress; 
  • Capricious or arbitrary application of appropriate criteria in a manner not reflective of the student’s performance in relation to a course or program requirement.

Procedure for Appeals

Throughout the appeals process all time periods are expressed in working days within the academic term or during the normal working days of summer. Students should be aware that appeals begun late in spring or in summer may be delayed by the unavailability of specific faculty and/or the Graduate Council. A written appeal must be initiated by the student within the time limits specified below. The student must seek resolution of the action sequentially as described below, unless the action complained of is not an evaluation or grade notation. In that instance, the student would begin the appeal with Step II below.

Step I. If the student is appealing an evaluation or grade notation, the appeal must be submitted to the instructor who provided the evaluation or grade notation; 

Step II. For all other appeals, or if the student is continuing the appeal of an evaluation or grade notation, the appeal must be submitted to the student’s major department; 

Step III. The Graduate Dean; 

Step IV. The Graduate Council. In all cases (Step I through IV), the appeal should indicate the action(s) being appealed, the date(s) the action(s) occurred, the grounds upon which the appeal is based, and the outcome desired.

Step I. Appeal to Instructor

If a student is appealing a narrative evaluation or grade notation, the student must submit a written appeal to the instructor of the course within twenty (20) working days of the deadline contained in the campus Academic and Administrative Calendar for submittal of narrative evaluations or grade notation or, if that deadline has passed, of the actual date when the faculty member filed the narrative evaluation or grade notation. The chair of the faculty member’s department should be copied on the appeal, in order to inform the student if the faculty member is unavailable. The faculty member may elect to meet with the student to discuss the appeal and determine if a reasonable compromise can be reached that is acceptable to both parties. The faculty member must submit a written response to the student with a copy to chair of the student’s department within ten (10) working days of the date of the student’s Step I appeal. This deadline may be extended by the chair of the faculty member’s department or his/her designate should the faculty member be away from campus for research, administrative duties, sabbatical time, or personal leave. If the course in question was sponsored by a unit other than the student’s home department, the appeal should be addressed to the instructor of the course and copied to the chairs of the two departments jointly.

Step II. Appeal to the Department

The student may continue the appeal of an evaluation or grade notation with the department. In addition, a student may begin the appeal of any other action at this level. Students continuing the appeal of an evaluation or grade notation must submit a written appeal to the chair of the department of the faculty instructor of the course, and this appeal must be submitted within twenty (20) working days of the date of the written response from the faculty instructor in Step I. If the course in question was sponsored by a unit other than the student’s home department, the chair of the student’s home department should be copied. In addition, the student may begin the appeal of any other department action at this level by submitting a written appeal to the chair of the department. This appeal must be submitted within twenty (20) working days of the date of the notice of the appealed action.

Review of the appeal at the departmental level should be conducted by the departmental graduate affairs committee or analogous group. This group should minimally include two or more faculty members. If a faculty member’s action(s) is the subject of the appeal, s/he must recuse him or herself from the committee. Departments may also elect to establish an ad hoc committee to handle appeals filed in a given academic year. The committee will initiate a review process within ten (10) working days of receipt of the appeal. The committee will receive the written appeal from the student, all pertinent material from the faculty member and student, and any additional material considered germane to the appeal either by the student or the faculty member. The committee may request additional information, as it deems necessary.

The committee or its designated members may elect to interview the faculty member and/or student involved in the appeal. The appeal must be concluded within fifteen (15) working days of receiving the written appeal from the student.

The committee will render its decision in written form within five (5) working days of the conclusion of the review process. For the decision to be binding, it must be consensual and accepted by all parties.

If the action being appealed, such as academic notice or dismissal, was initiated by the department, the review process remains the same.

After ten (10) working days, the suggested resolution, if not accepted by all parties, becomes null and void.

Step III. Appeal to the Graduate Dean

The student may elect to submit a written appeal of the department’s decision to the Graduate Dean. The decision must be appealed within ten (10) working days of the expiration of the department’s suggested resolution (see Step II).

At the discretion of the Graduate Dean, the appeal may be assigned to the Associate Graduate Dean. Additionally, if the Dean determines that the appeal should be submitted directly to the Graduate Council (for example, if the Dean determines that a fair and impartial hearing may be jeopardized by conflicts within the Graduate Division or other extenuating circumstances), the Dean may refer the appeal directly to the Graduate Council.

The Graduate Dean will review all documents and records submitted in the departmental review. In addition the Graduate Dean may meet with the student, faculty member(s), and/or graduate affairs committee, where appropriate, and may consider additional materials as s/he deems appropriate. The nominal time limit for completing the Graduate Dean’s review in within twenty (20) working days of receipt of the student’s appeal The Graduate Dean may suggest a resolution of the appeal in written form within five (5) working days of completion of his/her review. For the decision to be binding, it must be consensual and accepted by all parties.

Step IV. Appeal to the Graduate Council

The student may submit a final appeal to the Graduate Council within ten (10) working days of the expiration of the Dean’s suggested resolution (see Step III). The Graduate Council is a committee of the Academic Senate. There are ten Santa Cruz faculty members, plus the Graduate Dean serving ex officio. In addition, there are one Library representative nominated by the UCSC Librarians Association, no more than three Graduate Student Association representatives, and one Postdoctoral Scholars Association Representative.

The student will submit a written appeal to the Graduate Council through the Academic Senate Office. The Graduate Dean will forward all pertinent documents to the Graduate Council for evaluation. The Chair may request additional information, as she/he deems necessary. The Graduate Council Chair in consultation with the Graduate Council will review the file and determine whether sufficient cause exists to justify a formal hearing. This determination must be made within ten (10) working days of receipt of the student’s appeal, a written decision must be submitted within five (5) working days thereafter. If the Council declines to hear the case, this would be the final conclusion of the appeals process. If the Council determines that a hearing is to be held, the student and instructor or chair of the department will be notified of the initial hearing date in writing at least twenty (20) working days in advance. The hearing may continue to later session if necessary but in any case must be completed within ten (10) working days.

The Graduate Council Chair may at his/her discretion constitute a subcommittee of at least four members, including at least one student representative, to hear the appeal, or she/he may convene the Graduate Council as a whole, as appropriate to the case and circumstances. If a subcommittee is established, it acts for the Graduate Council for the remainder of the appeal at this level. At least five (5) calendar days prior to the hearing date, each party shall provide the other with all relevant materials, including: names of all witnesses and any and all written materials to be introduced at the hearing. Copies of this material must also be submitted to the Graduate Council at least ten (10) working days prior to the hearing.

During the appeal, the Graduate Council shall review the charges. At the hearing, the Graduate Council may interview such witnesses as are brought to the hearing by either party or such other witnesses as the Graduate Council considers relevant.

During the procedure, the graduate student members of the Graduate Council participate fully and equally with faculty members of the Graduate Council to review the issues of the case and ensure due process for the student. The graduate students are not to be viewed as a special resource or advocate for the student to any greater degree than any individual faculty member of the Graduate Council.

A formal hearing will follow these procedures and conditions:

1. The student:

a. shall be present throughout the hearing. If the student fails to attend the hearing, she/he shall be considered to have abandoned her/his appeal unless deferral was granted by the Graduate Council;

b. may be accompanied by a Senate member of her/his choice, if desired and available;

c. may be accompanied by a graduate student of her/his choice to serve in an advisory role, if desired and available;

Please note: although Graduate Council will attempt to accommodate requests, the non-availability of a requested accompanying Senate member or graduate student is not sufficient cause for delay of an appeals hearing, nor does it affect the legitimacy of the Council’s findings.

d. shall have the right to present evidence, including witnesses, first; and

e. may cross-examine all witnesses presented by the instructor, department, or dean. If the student desires a Senate member as an advisor and is unable to secure a Senate member to serve in this role, the Graduate Council, at the student’s request, will appoint a faculty member to act in this role. This advisor may or may not be a member of the Graduate Council. A Graduate Council member serving in this capacity shall be recused from the Graduate Council deliberations of the appeal.

2. The hearings will be confidential and limited to the principals (student, Senate member selected by the student, graduate student selected by the student, and instructor or department representative or relevant administrator), and members of the Graduate Council (but see 3 and 5 below).

3. By prior arrangement, witnesses may be interviewed as part of the hearing process.

4. All witnesses other than the student and the instructor (or department representative or other relevant administrator) shall be excluded from the hearing except when testifying.

5. Evidence may be oral or written, but must be limited to issues raised in the original written complaint. Formal rules of evidence shall not apply, and evidence shall be admitted if of the type upon which reasonable people are accustomed to rely in the conduct of serious affairs. The Graduate Council may, in its discretion, exclude irrelevant or unduly repetitive evidence. At its discretion the Graduate Council may agree to hear closing arguments (either oral or written at the Council’s discretion) as to the correct resolution of the matter. If the Council determines to allow written closing arguments, the hearing process shall be deemed complete upon the parties’ submission of their written arguments to the Council.

6. The meeting shall be tape recorded, or, at the option of the student, a stenographer may be provided at the student’s expense. The student shall have access to a copy of the tape recording and may copy the tape at her/his expense. All records pertaining to the hearing shall be kept by the Graduate Council for a period of three years. Student records shall be retained beyond that time if there is an outstanding request by a principal party to the review to inspect them.

7. The Graduate Council will reach its finding subsequent to completion of the hearing. The deliberations of the Graduate Council shall be in private. The Graduate Council shall submit a written finding including an explanation for the basis of it to the Graduate Dean within ten (10) working days of the date of completion of the hearing process.

8. Consistent with Senate authority and informed by the finding of the Graduate Council, the Graduate Dean will make the final decision on all cases involving academic notice and dismissal. The Graduate Council will have final decision-making authority in all other cases. In either case, the decision must be made within ten (10) working days of the receipt of the Graduate Council finding. Grade changes mandated by the Graduate Council are limited to Satisfactory/Unsatisfactory/Withdraw.

9. The Graduate Dean will have the administrative responsibility to implement the elements of the final decisions from Step 8 and to ensure that the instructor involved and/or department abide by the terms of the final resolution of the appeal. In addition the Graduate Dean will take reasonable steps to ensure that the student is not subject to any form of retaliation and is further restored to good standing with the department if so determined by the decision of the review. This may include the provision of lost wages or fellowship funds if so determined by the decision of the review.

Financial support will continue for the student for the term in which the appeal is submitted. Support beyond this term will be contingent upon approval of the department and the Graduate Dean, and determined on a case-by-case basis.

Ramifications of Appeal Process

At all stages of the appeal process, a faculty member may request that his or her name be removed from the course in the final academic transcript.

No punitive actions may be taken against the instructor on the basis of these procedures. Neither the filing of an appeal by a student nor the final disposition of the appeal shall, under any circumstances, become a part of the personnel file of the instructor. The use of non-academic criteria in assigning a grade is a violation of the Faculty Code of Conduct. Sanctions against an instructor for violation of the Faculty Code may be sought by filing a complaint in accordance with CAPPM 002.015 or the relevant collective bargaining agreement. A complaint may be filed by the student or by others consistent with CAPPM 002.015.

No punitive action may be taken against the complainant on the basis of these procedures. Neither the filing of an appeal by a student nor the final disposition of the appeal shall, under any circumstances, become a part of the complainant’s file. The instructor may, if he or she feels that his or her record has been impugned by false and malicious allegations, file charges against the complainant through the Office of the Vice Chancellor for Student Affairs.

How to Choose a Dissertation Topic | 8 Steps to Follow

Choosing your dissertation topic is the first step in making sure your research goes as smoothly as possible. When choosing a topic, it’s important to consider:

  • Your institution and department’s requirements
  • Your areas of knowledge and interest
  • The scientific, social, or practical relevance
  • The availability of data and resources
  • The timeframe of your dissertation
  • The relevance of your topic

You can follow these steps to begin narrowing down your ideas.

The very first step is to check your program’s requirements. This determines the scope of what it is possible for you to research.

  • Is there a minimum and maximum word count?
  • When is the deadline?
  • Should the research have an academic or a professional orientation?
  • Are there any methodological conditions? Do you have to conduct fieldwork, or use specific types of sources?

Some programs have stricter requirements than others. You might be given nothing more than a word count and a deadline, or you might have a restricted list of topics and approaches to choose from. If in doubt about what is expected of you, always ask your supervisor or department coordinator.

Start by thinking about your areas of interest within the subject you’re studying. Examples of broad ideas include:

  • Twentieth-century literature
  • Economic history
  • Health policy

To get a more specific sense of the current state of research on your potential topic, skim through a few recent issues of the top journals in your field. Be sure to check out their most-cited articles in particular. For inspiration, you can also search Google Scholar , subject-specific databases , and your university library’s resources.

As you read, note down any specific ideas that interest you and make a shortlist of possible topics. If you’ve written other papers, such as a 3rd-year paper or a conference paper, consider how those topics can be broadened into a dissertation.

After doing some initial reading, it’s time to start narrowing down options for your potential topic. This can be a gradual process, and should get more and more specific as you go. For example, from the ideas above, you might narrow it down like this:

  • Twentieth-century literature   Twentieth-century Irish literature   Post-war Irish poetry
  • Economic history   European economic history   German labor union history
  • Health policy   Reproductive health policy   Reproductive rights in South America

All of these topics are still broad enough that you’ll find a huge amount of books and articles about them. Try to find a specific niche where you can make your mark, such as: something not many people have researched yet, a question that’s still being debated, or a very current practical issue.

At this stage, make sure you have a few backup ideas — there’s still time to change your focus. If your topic doesn’t make it through the next few steps, you can try a different one. Later, you will narrow your focus down even more in your problem statement and research questions .

There are many different types of research , so at this stage, it’s a good idea to start thinking about what kind of approach you’ll take to your topic. Will you mainly focus on:

  • Collecting original data (e.g., experimental or field research)?
  • Analyzing existing data (e.g., national statistics, public records, or archives)?
  • Interpreting cultural objects (e.g., novels, films, or paintings)?
  • Comparing scholarly approaches (e.g., theories, methods, or interpretations)?

Many dissertations will combine more than one of these. Sometimes the type of research is obvious: if your topic is post-war Irish poetry, you will probably mainly be interpreting poems. But in other cases, there are several possible approaches. If your topic is reproductive rights in South America, you could analyze public policy documents and media coverage, or you could gather original data through interviews and surveys .

You don’t have to finalize your research design and methods yet, but the type of research will influence which aspects of the topic it’s possible to address, so it’s wise to consider this as you narrow down your ideas.

It’s important that your topic is interesting to you, but you’ll also have to make sure it’s academically, socially or practically relevant to your field.

  • Academic relevance means that the research can fill a gap in knowledge or contribute to a scholarly debate in your field.
  • Social relevance means that the research can advance our understanding of society and inform social change.
  • Practical relevance means that the research can be applied to solve concrete problems or improve real-life processes.

The easiest way to make sure your research is relevant is to choose a topic that is clearly connected to current issues or debates, either in society at large or in your academic discipline. The relevance must be clearly stated when you define your research problem .

Before you make a final decision on your topic, consider again the length of your dissertation, the timeframe in which you have to complete it, and the practicalities of conducting the research.

Will you have enough time to read all the most important academic literature on this topic? If there’s too much information to tackle, consider narrowing your focus even more.

Will you be able to find enough sources or gather enough data to fulfil the requirements of the dissertation? If you think you might struggle to find information, consider broadening or shifting your focus.

Do you have to go to a specific location to gather data on the topic? Make sure that you have enough funding and practical access.

Last but not least, will the topic hold your interest for the length of the research process? To stay motivated, it’s important to choose something you’re enthusiastic about!

Most programmes will require you to submit a brief description of your topic, called a research prospectus or proposal .

Remember, if you discover that your topic is not as strong as you thought it was, it’s usually acceptable to change your mind and switch focus early in the dissertation process. Just make sure you have enough time to start on a new topic, and always check with your supervisor or department.

Formulating a main research question can be a difficult task. Overall, your question should contribute to solving the problem that you have defined in your problem statement .

However, it should also fulfill criteria in three main areas:

  • Researchability
  • Feasibility and specificity
  • Relevance and originality

All research questions should be:

  • Focused on a single problem or issue
  • Researchable using primary and/or secondary sources
  • Feasible to answer within the timeframe and practical constraints
  • Specific enough to answer thoroughly
  • Complex enough to develop the answer over the space of a paper or thesis
  • Relevant to your field of study and/or society more broadly

Writing Strong Research Questions

You can assess information and arguments critically by asking certain questions about the source. You can use the CRAAP test , focusing on the currency , relevance , authority , accuracy , and purpose of a source of information.

Ask questions such as:

  • Who is the author? Are they an expert?
  • Why did the author publish it? What is their motivation?
  • How do they make their argument? Is it backed up by evidence?

A dissertation prospectus or proposal describes what or who you plan to research for your dissertation. It delves into why, when, where, and how you will do your research, as well as helps you choose a type of research to pursue. You should also determine whether you plan to pursue qualitative or quantitative methods and what your research design will look like.

It should outline all of the decisions you have taken about your project, from your dissertation topic to your hypotheses and research objectives , ready to be approved by your supervisor or committee.

Note that some departments require a defense component, where you present your prospectus to your committee orally.

The best way to remember the difference between a research plan and a research proposal is that they have fundamentally different audiences. A research plan helps you, the researcher, organize your thoughts. On the other hand, a dissertation proposal or research proposal aims to convince others (e.g., a supervisor, a funding body, or a dissertation committee) that your research topic is relevant and worthy of being conducted.
