Create a summary of your document with Copilot in Word
Note:Â This feature is available to customers with either a Microsoft 365 Copilot (work) or Copilot Pro (home) license.
If you just received a lengthy document to review, save time by letting Copilot in Word help you distill it down to key points.
View and use the automatic summary
Note: This Copilot summary is available to customers with a Microsoft 365 Copilot (work) license. We're rolling the automatic summary out gradually, so if you don't see it yet, keep watching for it in an update (see Delivering continuous innovation in Windows 11  for more information). We're rolling it out slowly.
You'll see a summary available when you open a document and you can scan it to see what topics to expect. If you're the author of a long document, you can use the summary to quickly see if the content is organized the way you want.
The summary will be in a collapsed or partially open section at the top of the page. Select View More to see the full summary, and if you want to customize it or ask follow-up questions about the documents, select Open in chat at the bottom of the summary and enter a prompt.
Tip:Â If you aren't finding the summaries useful, you can choose how you see them for all documents . The summaries are cached to keep your computer performance as fast as possible.
Ask Copilot for a summary if you don't see one automatically
Select Copilot from the ribbon to open the Copilot pane.
In the Copilot compose box, enter "summarize this document" or click on the suggestion option.
Want to learn more about a summarized idea? In Copilot's summary, select References to view citations that Copilot pulled information from inside the document.
Create a summary when sharing a document
Note: This feature is currently only available to customers with a Microsoft 365 Copilot (work) license.
Copilot can generate summaries when you share an unencrypted document with collaborators. Encrypted documents aren't supported at this time.
In an existing Word document, select Share , then in the list, select Share.
After you've shared the Word file, the email notification to your collaborators includes the summary generated by Copilot.
Review the results
Review the summary Copilot generated. How does it flow? Is it ready to share? Or does it need a little more work? Often the first response isn't perfect. AI works best with a little back-and-forth conversation. You can get better results by providing more context and details about what you want.
Provide more context and details
Include some context and a few details in your prompts to get better results with Copilot. Who's the summary for? Why do you need it? How do you plan to use it? Try using prompts like these:
What should business decision makers know about <subject in your document>? Why is it important to understand these things?
I need to share the main points of this document with my teammates. Write a few paragraphs that include why these points are important to our company.
Are there any calls to action? What should we do next?
With each prompt, Copilot scans the document again, and then generates a response. You can continue submitting prompts until you're pleased with the results.
Try suggested prompts
Copilot offers suggested prompts to try, or you can always type your own prompts for Copilot. With each response, you'll see one or more suggested prompts. Give one a try and see what happens.
Choose whether summaries show automatically
You can choose if you want to see summaries automatically, or if you want to show them always in a collapsed state.
In the automatic summary, select Settings ( ... ) and then select the box for Collapse Copilot summary automatically .
Current limitations
For Copilot to generate summaries, the reference content needs to have at least 20 words.
Copilot is currently limited to a maximum of around 80,000 words for a single query or prompt when you're generating summaries.
Although Copilot takes the entire document into account, it currently doesn't always provide citations to later document content. We are improving this.

Microsoft Word gets new AI 'Copilot' that will help write documents and essays for you
AI is going to make writing documents much faster.
What you need to know
- Microsoft has unveiled new AI capabilities coming to Office 365 at an event.
- Microsoft calls this AI "Copilot," and it will make writing Word documents easier.
- With user input, you can ask Word to generate entire texts based on your own requirements.
Microsoft has announced that it's bringing AI to all its Office applications , including Word via a new "Copilot" feature that can generate texts based on user prompts using natural language. You can ask Word to help with creating a report on a certain topic, and even point to offline source material such as other documents on your computer.
Once Copilot generates text, the user has the choice to edit it, including using the AI to rewrite certain parts in a different tone or context, or discard it completely. The AI can also do formatting, meaning users with only basic Word knowledge will be able to create more advanced layouts thanks to AI.
Copilot can even review documents, including spelling, punctuation, and even offer suggestions and changes based on your own likes and dislikes. The design of Copilot means it should make writing and editing Word documents much faster.

Here's how Microsoft describes Copilot for Word:
"Copilot in Word writes, edits, summarizes, and creates right alongside you. With only a brief prompt, Copilot in Word will create a first draft for you, bringing in information from across your organization as needed. Copilot can add content to existing documents, summarize text, and rewrite sections or the entire document to make it more concise. You can even get suggested tones—from professional to passionate and casual to thankful—to help you strike the right note. Copilot can also help you improve your writing with suggestions that strengthen your arguments or smooth inconsistencies."
AI coming to Word is just one part of today's announcements from Microsoft. Copilot is coming to all Office apps, including PowerPoint , Excel, and Outlook . Use it to reply to emails, organize data in a speadsheet, or design a presentation based on a recent essay you wrote. It can do it all.
Microsoft says AI functionality in Word will roll out over the coming months, and is in limited testing "20 customers," likely to be enterprise customers, right now.

New AI tools help writers be more clear, concise and inclusive in Office and across the web

Susan Hendrich was talking with a friend who mentioned how hard a co-worker with dyslexia worked to ensure that meeting notes he was responsible for writing were error free.
Because he worried about making mistakes, he routinely brought meeting recordings home with him and labored over the summaries for hours at night.
That led Hendrich, a Microsoft group program manager and expert on natural language and AI for Microsoft Office, to wonder how her team might improve those stressful writing experiences for people whose brains process letters and words differently.
A new feature now being rolled out in Editor in Word can use more sophisticated AI to offer suggestions for rewriting full sentences rather than offering spelling or grammar fixes one at a time. In internal evaluations, it was nearly 15 percent more effective than previous approaches in catching mistakes commonly made by people who have dyslexia, Microsoft says.
Thatâs largely because the deep learning algorithms that can offer those rewrites were trained on large and diverse datasets, including documents written in the real world by people with dyslexia, rather than a narrow and finite set of linguistic rules.
âIt was actually something that we did not expect,â Hendrich said. âBut then we started doing some benchmarking and realized this can be a huge benefit to people.â
Microsoft engineers have steadily been incorporating more AI advances into its Microsoft 365 suite of products over the past several years. They now help over 200 million Office 365 users have more productive meetings, stay on top of their to-do lists, deliver more powerful presentations, preserve focus time and help people find ways to write more clearly.
Now, Microsoft is making its AI-powered writing assistance tools more widely available to enterprise and consumer customers around the world. With new features that begin rolling out today and will continue over the coming months, Microsoft Editor will give writers the option to use intelligent tools to craft more polished prose in documents, emails and posts across the web on sites such as LinkedIn, Gmail, Facebook, Twitter and more.
The new tools are available through Editor in Word, Editor in Outlook and a new Editor in the browser extension, which will allow users to catch mistakes and write more confidently when crafting social media posts or communicating elsewhere on the web.
Editorâs spelling and basic grammar checks will be available to everyone, and Microsoft 365 subscribers â including the new Microsoft 365 Personal and Family productivity subscriptions announced today â can opt to use more advanced AI features that offer intelligent suggestions for making writing more concise, clear, formal and more.
The releases expand Microsoftâs advanced AI-powered writing suggestions to Outlook.com, Outlook for the web and the new browser extension, currently available for Microsoft Edge and Google Chrome, in more than 20 languages. Basic spelling checks in the browser extension will be available in 89 languages.
Starting with Editor in Word and coming soon to other platforms, Microsoft 365 subscribers can also opt to see inclusive language suggestions â such as the word firefighter instead of fireman â that seek to eliminate biases based on gender, age, ability and more. In Word for the web in English, those users who want more feedback can now access whole sentence rewrite suggestions to improve fluency, conciseness and readability.
Other new AI-powered Word features, which will be expanded to other Editor offerings, can offer intelligent suggestions for spelling out acronyms, putting numbers in real-world perspective and even flagging potentially unoriginal language and allowing writers to properly cite reference material.

Massive scale and opportunity for impact
As Microsoft has incorporated more AI technology into its products, company executives say theyâve been keenly aware of their duty to help ensure that AI is used in ways that are responsible and thoughtful, that anticipate unintended consequences and that help meet real customer needs.
âIf you think about the number of people who use Office in their daily lives, whatâs unique about us is the massive scale and opportunity for impact,â said Sumit Chauhan, Microsoft corporate vice president for engineering in Office. âThe burden is really on us to get this right.â
For instance, Editor in Wordâs AI-powered rewrite suggestions tool has the potential to benefit many authors â from people learning English whose omissions of âa,â âan,â or âtheâ arenât always caught by traditional language checkers to busy professionals who get hundreds of emails an hour and donât have time to labor over each response.
At the same time, AI has the potential to reinforce harmful biases that exist in society, and in the data that algorithms learn from. To address this unintended consequence, Microsoft researchers have developed a block list of words that are at greater risk of causing offense, and Word doesnât show rewrite suggestions with those phrases.
For those who choose to use it, Editorâs inclusive language critique offers suggestions to replace language that may perpetuate biases around age, ability, gender, sexual orientation, religion, ethnic or racial slurs, as well as outdated or sensitive geopolitical references.
The goal isnât to correct all of societyâs issues, Chauhan said, but to highlight potential blind spots and offer some general suggestions to consider.
If you think about the number of people who use Office in their daily lives, whatâs unique about us is the massive scale and opportunity for impact. The burden is really on us to get this right.
âIn our products, we want to be thoughtful about stereotypes in the world and to make sure our AI is not reinforcing or amplifying those,â Chauhan said.
Of course, those sensitivities vary widely by country and culture. Thatâs why Microsoft hires native speakers and linguistic experts in 20 languages to write the rules that guide grammar, clarity and conciseness checking â and to advise which inclusiveness critiques donât have comparable solutions in that language or might be unwelcome in certain markets.
Considering usersâ needs can be as simple as recognizing that people who are colorblind canât distinguish between words written in red or blue and may also need dashed lines or squiggles to flag words or phrases.
Or it can be as complicated as figuring out how to handle gender-neutral pronouns in spelling and grammar critiques â something the team is experimenting with. The cultural shift to use pronouns such as âthey/themâ to refer to people whose gender identities are nonbinary is recent enough that thereâs little data that can teach algorithms their proper usage.
For now, Editor in Word and Outlook will not flag the use of âtheyâ in a singular context as incorrect â such as âthey are taking their final exams tomorrowâ rather than âshe is taking her final exam tomorrowâ â which Hendrich believes is a good first step toward including a wider spectrum of gender identities. But she also worries about the person who might use âtheyâ by mistake in a cover letter and doesnât land a job because Wordâs grammar checker failed to flag it.
âWe have a goal of empowering our customers to write confidently and feel like their writing reflects positively on them,â she said. âAnd we also have a goal to properly represent and celebrate people for their uniqueness. So, to be perfectly honest, these are the questions that I grapple with as a product creator. And I donât always have the answer.â

Putting people at the center of AI design
Mira Lane, the lead of Microsoftâs Ethics & Society team, is charged with ensuring that the principles articulated at the highest levels of the company to guide the responsible use of AI find their way into the heads of researchers conducting user testing and the hands of engineers writing code. It starts with asking the right questions, she said.
Her team of philosophers, engineers, security experts, designers and trainers works closely with product teams to consider what data or models should be used, who might be directly or indirectly affected by a new technology, what kinds of people should be interviewed to identify unintentional harms and how those insights can be folded into product design.
âThe thing that weâre trying to do is help people design technology in a really intentional way, so you really understand what the effects of the tech are and can look around the corner to how it might be used or misused,â Lane said.
For teams that incorporate AI into productivity tools, one of the most important principles is to keep people at the center of the process.
âWe bring a lot of focus to making sure the experiences weâre delivering are actually valuable,â said Penny Collisson, principal design research manager for Office. âWe have lots of conversations with customers where we never even mention AI. Weâre talking about understanding the expressed or latent needs or pain points that people have and then we go back and try to think about how AI could fit in.â
Microsoft has developed 18 best practices that researchers and product designers use to guide their work. But a lot of that work involves listening to people with different levels of tech adoption, socioeconomic backgrounds, geography, physical abilities or attitudes about AI and privacy.
If you talk to people with learning disabilities, for instance, some have a fear of starting with a blank page. That insight helped guide improved dictation offerings in Word for the web, which makes it easier to create content with oneâs voice and use speech-to-text to get thoughts down on paper.
Creating good user experiences with AI is more complicated than asking people for feedback on whether they prefer one type of control over another, or which interface is easier to navigate, said Jon Friedman, Microsoft corporate vice president for design and research.
âThe kicker and power of AI is that everyoneâs experience is unique. Before, we were designing for the mean because solutions were closer to one size fits all. And now we are designing each thing to be a special size to fit each individual,â Friedman said.
âSo making sure weâre talking to a much broader set of people and hearing everyoneâs voice is really important to give people what they truly need,â he said.
In one example, Microsoft designers and engineers who were interested in building a better screen reader for people who are blind or with low vision built a relationship with the Washington State School for the Blind and began interviewing and observing how those students consume information and approach tasks for the day. That work led to Play My Emails in Outlook mobile, which turned out to also be useful for anyone who wants a jump on their day but canât safely look at a screen while commuting or cooking breakfast for kids.
Through interviews and equipment that simulated the experience of having macular degeneration, the design team began to understand the massive cognitive load thatâs required to listen for pertinent information among a sea of extraneous details like dates and time stamps and even punctuation marks that screen readers include as they scan from left to right.
âIt was like listening for a needle in a haystack, and the fatigue level was really high,â Friedman said.
So the team used AI to offer the most important information upfront and in a much more conversational way. Having Cortana, Microsoft 365âs personal productivity assistant, tell you that someone sent you an email in the past hour about scheduling a meeting this afternoon is more useful than knowing the precise time stamp, Friedman said.
Play My Emails also provides summary information like how many unread emails are in your inbox and how long it would take to listen to them. That helps people decide if they have enough commute time or brain space while theyâre rushing to get out of the house to focus on the task.
âWe started on this path because we thought inclusive design was an important philosophy that we needed to start living and breathing in product,â Friedman said. âBut the team quickly realized that thereâs a lot of instances where people are situationally blind or looking at screens when itâs not safe, and thatâs when they realized this is something that could be useful for people in a lot of different contexts.â

Keeping users in control
Microsoft also wanted users to have control over its new AI-powered tools. Some of the new Editor features, like inclusive language critiques, arenât automatically turned on but allow people to opt into using them.
Researchers also heard loud and clear from some users whose unique writing style is an important part of their brand or professional success. They didnât want AI algorithms rewriting their prose. Thatâs, in part, why the Editor in Word rewrite suggestion tool includes three options that can serve as inspiration or jumping-off points for an author to build on.
âIn some ways this is just exposing the idea that there are different ways to say the same thing,â Friedman said. âWe believe thatâs going to help with both the concept of teaching people and letting them have their own voice.â
Designers of the Editor tools regularly talk to teachers about how their students prefer to receive editing feedback and how the tools can help build studentsâ skills rather than simply doing tasks for them.
âTeachers donât just want us to fix their studentsâ work,â Hendrich said. âThey want them to be able to learn in the process. Thatâs why Word offers explanations, to help people write more confidently while also providing these teachable moments.â
That was one of the drivers behind the new similarity checker function in Word for the web, which can help flag unoriginal content that may have made its way into a document from the abundant reference material available online. The similarity checker also helps teach people how to properly cite othersâ words or ideas, which is an important skill for students to learn and one for which teachers have said they would welcome extra help.
As Microsoft looks to the future, teams are exploring other new features made possible by advances in natural language processing, computer vision and other types of AI. That includes Presenter Coach features in PowerPoint that can tell people how often they slouch or make eye contact during a presentation. Tools in Office that help people accomplish more of their routine tasks on the go through voice interaction can free up time for more focused work.
âWhen youâre using our products, youâre trying to get your job done right,â Chauhan said. âOur job is to amplify that human ingenuity. So whether youâre writing a document or designing a beautiful presentation or analyzing a spreadsheet, weâre always thinking about how can we help you in that task. Thatâs really been the arc of AI in Office.â

Microsoft is rushing to add AI features to its services, such as the new Bing Chat AI and a new sidebar in Microsoft Edge . To no one's surprise, AI functionality is now coming to Office apps.
Microsoft held its "Reinventing Productivity with AI" live event today, where the company announced "Microsoft 365 Copilot," an umbrella term for various features powered by large language models (LLMs). The first wave of new features is coming to Word, Excel, PowerPoint, Outlook, and Teams, which Microsoft says will help "you to unleash creativity, unlock productivity, and uplevel skills."
Microsoft Word is adding a Copilot feature that works a bit like the text generation functionality in ChatGPT or Bing Chat. You can give it a prompt, and it will generate draft text based on what you requested, with customization options for setting the tone. The main difference with Microsoft's implementation is that it can pull data from your other files. For example, you can ask "Draft a two-page project proposal based on the data from [a document] and [a spreadsheet]," and Word will ask you to confirm the files. The functionality seems like what Google Docs is testing , though Google's implementation doesn't appear to pull in data from your other files.
Copilot in Microsoft Excel is less focused on generative text, and aims more to help you analyze and explore data already in a spreadsheet. Microsoft said, "It will reveal correlations, propose what-if scenarios, and suggest new formulas based on your questions---generating models based on your questions that help you explore your data without modifying it." It takes a while to learn all of Excel's various formulas, so having an assistant help you could be useful... as long as it doesn't break.
Microsoft PowerPoint's Copilot can help you convert written documents into presentation decks, complete with speaker notes and sources, or you can give Copilot a prompt to create a template. The announcement said you will be able to use commands like, "Create a five-slide presentation based on a Word document and include relevant stock photos," or "Reformat these three bullets into three columns, each with a picture."
Meanwhile, Microsoft Outlook is using Copilot to summarize email threads "to understand not only what has been said, but the different viewpoints of each person and the open questions that have yet to be answered." You'll also be able to generate text in emails from a prompt, or make text you're writing longer or shorter if needed, much like what Google announced for Gmail .
Copilot is also coming to Microsoft Teams, where it will attempt to summarize meetings you may have missed. Teams will have a "Business Chat" tab that functions like Bing Chat, but with access to data across all your documents, presentations, email, notes, calendar, and contacts. It's not clear if Business Chat will ever be accessible to personal accounts, but if it does, Microsoft will presumably give it a different name.
The new features look impressive, but there are many questions remaining about how effective the features will be, or even if they should be used at all. I certainly wouldn't want an AI trying to summarize something I say in a meeting or string of emails, because it could easily misinterpret my statements and give people the wrong idea. Microsoft also recently laid off an entire team dedicated to maintaining ethics in AI , but the company did say in its announcement that Copilot is "not trained on customer content or on individual prompts."
Microsoft 365 Copilot is currently being tested with 20 companies, and will be rolled out to more people "in the coming months." It's not clear when personal Microsoft accounts will have access.

Microsoft has added a new feature to Microsoft 365, specifically targeting users of Microsoft Copilot for Microsoft 365. The latest addition, identified with Feature ID 379972 , allows users to include an AI-generated document summary when sharing Word documents through OneDrive.
This is a great feature for busy professionals who don’t have time to read long documents. With Copilot’s summaries, they can quickly get the gist of a document without having to scroll through all the pages. The summaries will be included in the share notification email that recipients receive.
Effective February 2024, users can include the AI-generated document summary within the share dialog when sharing a Word document online. The document summary will be incorporated into the share notification email sent to recipients.
It’s important to note that this feature is exclusively available to customers with a Microsoft Copilot for Microsoft 365 license and is applicable only when sharing a Word for the web file.
This update was added to the Microsoft 365 roadmap on January 26, 2024, under the General Availability and Targeted Release phases. The rollout is set to commence in February 2024.
The cloud instance for this feature is worldwide, utilizing the Standard Multi-Tenant infrastructure, and is accessible via the web platform.

Microsoft is announcing a new AI-powered Copilot for its Microsoft 365 apps and services today, designed to assist people with generating documents, emails, presentations, and much more. The Copilot, powered by GPT-4 from OpenAI, will sit alongside Microsoft 365 apps much like an assistant (remember Clippy ?), appearing in the sidebar as a chatbot that allows Office users to summon it to generate text in documents, create PowerPoint presentations based on Word documents, or even help use features like PivotTables in Excel. Microsoftâs Copilot leaked earlier today .
âIt works alongside you, embedded in the apps millions of people use everyday: Word, Excel, PowerPoint, Outlook, Teams, and more,â said Microsoft 365 head Jared Spataro. âCopilot is a whole new way of working.â
Microsoft 365 users will be able to summon Copilot to provide information on an upcoming Microsoft Teams meeting, preparing people with updates on related projects, organizational changes like recent hires, and even updates on co-workers who might have returned from vacation.
Copilot can also be summoned throughout Microsoftâs Office apps and be used in Word to draft documents based on other files. The AI-generated text can then be freely edited and adapted. As Copilot is essentially a chatbot, you can even ask it to create a 10-slide PowerPoint presentation based on a Word document or analyze or format Excel data.
That means Excel users can use Copilot to instantly create a SWOT analysis or a PivotTable based on data. In Microsoft Teams, the Copilot feature can transcribe meetings, remind you of things you might have missed if you joined late, or even summarize action items throughout a meeting.
Spataro was quick to note that Copilot wonât always be correct, though. âSometimes Copilot will get it right, other times it will be usefully wrong, giving you an idea thatâs not perfect but still gives you a head start,â said Spataro during Microsoftâs AI event today.
Copilot will also exist in Outlook, so you can spend less time deleting emails and responding. Email threads can be summarized, and Copilot can even create draft responses with toggles to adapt the tone or length of an email.
âTo build Copilot we didnât just connect ChatGPT to Microsoft 365,â says Spataro. âMicrosoft 365 Copilot is powered by what we call the Copilot system.â This system combines Microsoft 365 apps like Word, Excel, and PowerPoint with the Microsoft Graph of data and intelligence and GPT-4.
Copilot uses grounding to improve the quality of the prompts its given. If you ask Word to create a document based on your data, Copilot will send that prompt to the Microsoft Graph to retrieve the context and data before modifying the prompt and sending it to the GPT-4 large language model. The response then gets sent to the Microsoft Graph for additional grounding, security and compliance checks, before sending the response and commands back to Microsoft 365 apps.
Microsoft is also planning to launch a Business Chat feature that works across all Microsoft 365 data and apps. It uses the Microsoft Graph to bring together documents, presentations, emails, notes, and contacts into a single chat interface in Microsoft Teams that can generate summaries, planning overviews, and more.
Microsoft CEO Satya Nadella unveiled this new AI Copilot during a special AI productivity event this morning. After bringing an AI-powered chatbot to Bing recently, Microsoft is moving quickly toward the integration of OpenAIâs large language models into its Microsoft 365 suite. Microsoftâs announcement comes just days after Google announced similar AI features for Google Workspace, including AI-assisted text generation in Gmail, Docs, and more.
Microsoft says itâs testing its Microsoft 365 Copilot with 20 customers right now and will be expanding the preview in the coming months. âWe will share more about pricing and details in the coming months,â says Microsoft in a blog post today .
While Microsoft is certainly moving quickly with its AI-powered vision for Office apps, there will certainly be concerns around this speed of innovation and the accuracy of its AI models, particularly when Microsoft 365 users may well be using them with business data in the months ahead.
âWe make it clear how the system makes decisions by noting limitations, linking to sources, and prompting users to review, fact-check and adjust content based on subject-matter expertise,â says Spataro in a blog post today , noting the companyâs AI principles. Microsoft recently laid off its ethics and society team within the artificial intelligence organization. The team had been working to identify risks posed by Microsoftâs adoption of OpenAIâs language models throughout its software and services.
Thatâs left some inside and outside Microsoft concerned at the pace of AI-powered software, but Spataro doesnât share the same concerns. âTo serve the unmet needs of our customers, we must move quickly and responsibly, learning as we go,â says Spataro. â Weâre testing Copilot with a small group of customers to get feedback and improve our models as we scale, and we will expand to more soon.â
Microsoft is clearly starting small to ensure any costly mistakes are discovered early on. âWhen the system gets things wrong, or has biases, or is misused, we have mitigations in place,â says Jamie Teevan, Microsoftâs chief scientist. âWeâre tackling the long term implications and novel risks like jailbreaks. Weâre going to make mistakes, but when we do weâll address them quickly.â

Think of a mind map as a blueprint for your ideas to execute projects in the real world. For example, if your main concept is launching a podcast, AI could list tangents like finding equipment, coming up with a podcast name, and creating the actual content. Use these base prompts for starting a mind map:

Explore âwhat if?â scenarios
