It's the end of another busy working day and, even though you came into the office early and left late, you don't feel as if you've accomplished anything significant.

It's all too easy for this to happen. Faced with endless meetings, frequent interruptions, and urgent last-minute tasks, you can easily be busy all day without making any progress on high-priority projects and goals. That's why it's so important to know how to schedule your time properly.

In this article, we'll look at the steps that you can take to do this, thereby making time for the work that really matters – while still leaving time for personal development, family, and friends.

The Importance of Scheduling

Scheduling is the art of planning your activities so that you can achieve your goals and priorities in the time you have available. When it's done effectively, it helps you:

  • Understand what you can realistically achieve with your time.
  • Make sure you have enough time for essential tasks.
  • Add contingency time for "the unexpected."
  • Avoid taking on more than you can handle.
  • Work steadily toward your personal and career goals.
  • Have enough time for family and friends, exercise, and hobbies.
  • Achieve a good work-life balance.

Time is the one resource that we can't buy, but we often waste it or use it ineffectively. Scheduling helps you think about what you want to achieve in a day, week, or month, and it keeps you on track to accomplish your goals.

How to Schedule Your Time

Set a regular time to do your scheduling – at the start of every week or month, for example.

There are a number of different tools to choose from. A simple and easy way to keep a schedule is to use a pen and paper, organizing your time using a weekly planner. (Click here for a free downloadable planner template to get started.)

You can also use apps and software such as Google Calendar®, MS Outlook®, and Canva . Choose a scheduling tool that suits your situation, the current structure of your job, your personal taste, and your budget. [1]

The most important thing when choosing your planner is that it lets you enter data easily, and allows you to view an appropriate span of time (day/week/month) in the level of detail that you need.

Once you have decided which tool you want to use, prepare your schedule in the following way:

Step 1: Identify Available Time

Start by establishing the time you want to make available for your work.

How much time you spend at work should reflect the design of your job and your personal goals in life.

For example, if you're pushing for promotion, it might be prudent to work beyond normal hours each day to show your dedication. If, on the other hand, you want to have plenty of time for out-of-work activities, you might decide to do your allocated hours and no more.

Step 2: Schedule Essential Actions

Next, block in the actions you absolutely must take to do a good job. These will often be the things you are assessed against.

For example, if you manage people, make sure that you have enough time available to deal with team members' personal issues, coaching, and supervision needs. Also, allow time to communicate with your boss and key people around you.

Step 3: Schedule High-Priority Activities

Review your to-do list , and schedule in high-priority and urgent activities, as well as essential maintenance tasks that cannot be delegated or avoided.

Try to arrange these for the times of day when you are most productive – for example, some people are at their most energized and efficient in the morning, while others focus more effectively in the afternoon or evening. Step 4: Schedule Contingency Time

Next, schedule some extra time to cope with contingencies and emergencies. Frequent interruptions can eat into your time. Learning how to manage them can reduce the amount of contingency time you need to set aside. Some interruptions will be hard to predict, but leaving some open space in your schedule gives you the flexibility you need to rearrange tasks and respond to important issues as they arise.

Step 5: Schedule Discretionary Time

The space you have left in your planner is "discretionary time": time that is available to deliver your priorities and achieve your goals. Review your prioritized to-do list and personal goals , evaluate the time you need to achieve them, and schedule them in.

Step 6: Analyze Your Activities

If, by the time you reach step five, you find that you have little or no discretionary time available, you need to go back through steps two, three, and four, and question whether all of the tasks you've entered are absolutely necessary. It may be that some things can be delegated or tackled in a more time-efficient way.

One of the most important ways that you can build success is by maximizing the leverage you can achieve with your time. Increase the amount of work you can complete by delegating to other people, outsourcing key tasks, or using technology to automate as much of your work as possible. This will free you up to achieve your goals.

If you find that your discretionary time is still limited, then you may need to renegotiate your workload or ask for help . Use your newly prepared schedule as evidence of your heavy commitments. This demonstrates to your boss how well-organized you are, and might make him or her more receptive to your request!

Scheduling is the process by which you plan how you'll use your time. Doing it well can maximize your effectiveness and reduce your stress levels.

Follow this six-step process to prepare your schedule:

  • Identify the time you have available.
  • Block in the essential tasks you must carry out to succeed in your job.
  • Schedule high-priority urgent tasks and vital "housekeeping" activities.
  • Block in appropriate contingency time to handle unpredictable events and interruptions.
  • Schedule the activities that address your priorities and personal goals in the time that remains.
  • Analyze your activities to identify tasks that can be delegated, outsourced, or cut altogether.

It's important that your schedule makes time for your professional and personal goals. If you have little or no discretionary time left when you reach step five, revisit your tasks to see if you can do them differently – otherwise, your work-life balance will suffer.

Do you ever feel overwhelmed by writing?

How to Create an Effective Writing Schedule Blog Photo

Your teacher or professor assigns a writing project, and you think “I don’t even know how to start?”  Or do you struggle to begin any other piece of writing that seems large?   Even experienced writers get nervous about writing something whether it’s a book, poem, blog post, essay, article, or research paper.  There is that moment where a writer asks, “How do I do this?” The best thing to do then is to think through what you must do and create a writing schedule. It is the roadmap to completing a final draft.

There are 4 key steps to creating a schedule: 1) understanding the project, 2) listing what you need to do, 3) selecting the time and dates when you will do your tasks, and 4) keeping on task.

Let’s dive into how to create an effective writing schedule for your next project.

4 Steps to Creating an Effective Writing Schedule 

4 Easy Steps to Creating a Writing Schedule

Step #1:  Determine the writing goal and requirements for your project.

If you are creating a schedule for an assignment such as an essay or academic paper, you will have a description of what the assignment is and what is required.  You may have information about how the assignment is evaluated too.

Read through that information and determine what you need for your final copy.  Here are some questions to help you understand your assignment:

  • What is the goal of this project?
  • What are the specific requirements?
  • What subjects or topics do I need to write about
  • When is it due? Are there deadlines for different parts of the assignment (a date for when you need to write a rough draft)?
  • What type of writing is it? (e.g., expository, narrative, etc.)
  • What style and reference guide do I need to follow? (e.g., APA, Chicago Style Guide, MLA, etc.)

If you are writing a nonfiction book, fiction, poetry, etc. think through the goal, purpose of your project, and what the expectations are for that genre.  You may also want to think about how you will organize your project.  If it’s a poetry collection, do you have a theme each section will cover? If it’s a nonfiction book how will you organize your sections or content?  These questions will help you understand what you want to accomplish.

Step #2 List everything you need to do to complete your writing project.

Write down the tasks you need to do. Include both specific things for the writing project and phases of the writing process.  Here’s an example list for writing a research paper.

  • Brainstorm topics or ideas
  • Create a research question
  • Find sources
  • Take notes on the research
  • Organize your notes and plan what you will write
  • Write the first draft of your paper
  • Revise the draft
  • Edit your research paper
  • Hand in your final research paper

Next, look at each of these tasks and estimate how long you will take to complete each thing.  You can write these estimates next to each task.

Step 3: Create your schedule.

Look back at everything you need to do, and write down a date and time of when you will do each task.  Keep in mind both how long you think each thing will take and the deadline.  You can create a schedule in a planner you have, create a separate table or chart, or just use a calendar such as Google Calendar.

Whichever method you select you should have these categories:

  • The Writing Project Title
  • A Short Project Description 
  • Date -The day on which something will be done.
  • Time -The exact time when you will work on tasks.
  • Tasks —What tasks you will accomplish.

You can use this method with any type of writing project:  article, blog, book, essay, poetry collection, etc.

Step #4 Stick to your schedule.

A writing schedule won’t help you if you don’t actually follow it.  You need to do the work and write. Here are some ideas on how to be accountable and complete your writing project.

Accountability Partners

One way to keep on track with your writing is to have an accountability partner.  An accountability partner is someone you can meet up with regularly where you each share what you accomplished.  If you haven’t done what you need to do, you can discuss why you haven’t done it and plan on how you will catch up with your work.  Accountability partners can encourage and motivate each other to keep going no matter how hard something seems.

The one downside to accountability partners is that they can’t always talk you through writing difficulties.  So, if you are not accomplishing a project because you don’t know how to write it, you should seek help from a teacher or tutor.

Writing Groups/Communities

A writing group can give you advice, tips, and feedback on your writing.  They may have a regular meeting time where everyone needs to bring their work. This approach means that you will have to have your writing done before the meeting.  You can get comments and suggestions from other members of the group.  If you want to advance your writing, getting feedback on it is a great way to further your writing talent.

However, unless you form a group based on people who all have the same project to complete, you won’t have guidance through parts of your writing assignment. If members aren’t aware of the specifics of your project, they can’t comment on whether or not your work fulfills the assignment’s goals and requirements.

Self-discipline

So why is it? Is it because:

  • You have an important message to communicate to the world?
  • You’re carrying on your grandmother’s legacy with a semi-biographical novel based on her life?
  • Writing makes you feel whole?
  • For you, freedom and fulfillment would mean getting to the point where your only job is to write novels?

If you find yourself stating a surface-layer goal like, “I want to finish my fantasy trilogy in five years,” keep prodding. Why is this goal important enough to prioritize over the eight billion other things you could be doing with this one precious life?

When you have your answer, write it on a post-it and display it proudly in your writing space.

Solidify Your Goals

Okay, now let’s talk about what you hope to accomplish with this new writing schedule of yours.

I’m not going to go too deep on how to choose your objective, though I highly recommend you check out Doug’s article on setting writing goals .

What I’ll say for now is that your specific intention probably falls into one of two categories:

  • You want to finish a specific project by a specific date
  • You just want to write more and improve your craft

Both of these are fantastic goals. But they require different considerations for how to start a writing schedule.

If your objective is to make more time for writing, all you have to do is decide what “more” means. An hour a day? Fifteen minutes a day? Four hours a week?

On the other hand, if you want to set a project-based goal, you need to do some calculations .

Let’s say you want to finish an 80,000-word draft of your novel in three months. You’re able to write five days a week. There are 13 weeks in three months. You multiply 13 weeks by five days a week and find out you have a total of 65 writing days to reach 80,000 words. Divide 80,000 words by 65 days and that comes out to about 1,231 words a day.

This is the moment of truth. Look at your schedule and consider your typical writing pace. Will you be able to write 1,231 words a day with the time you have available? 

If not, consider either adding days or extending your timeline. 

Whatever you do, don’t tell yourself you’ll simply have to “hustle.” Set your writing schedule up for success, not struggle. That’s how you maintain motivation.

Actually Schedule It

Okay, now we really get to dig into how to start a writing schedule. You know what your goals are, what your timeline is, and—if you’re creating a goal-oriented schedule—how much you want to accomplish in each writing session.

The time has come to put it on the calendar. Here are a few tips for optimizing your scheduling strategy:

‍ If it’s possible, base your writing routine on when you’re at your best. When are you most alert and creative? Unless you have other non-negotiable obligations at that time ( a day job , for example), claim that ideal time for your craft.

Write every day if you can. This isn’t an option for everybody, but writing daily—even if it means shorter sessions—is the best way to maintain your creative momentum.

‍ Consider when you’re most likely to get focused, uninterrupted time. Is it before the rest of your family wakes up? After they go to sleep? On your lunch break?

‍ Block out the time on your calendar. This is how you tell yourself that this time is not available. This is your time to write.

‍ Share your schedule with loved ones and ask for their support. Sometimes the non-writers among us think of writing as a low-stakes hobby. If your writing time is precious to you, let them know. Ask them to give you the space you need to commit to your goals. 

Once your schedule is in place, set up a system for tracking your progress.

Track Progress

This is how you gather the evidence that your schedule is working—it’s helping you move closer to your goals. When you can see that, you feel more motivated to keep going.

You might create a spreadsheet where you record your daily word count. You might put an “x” on the calendar for every date you write, Seinfeld-style . If you’re a Dabble user, the Goal Tracker automatically keeps your progress right in front of you as you write.

Do whatever works for you. Though, I would suggest using a tracking system that you’ll see every day without having to look for it. 

I love Dabble’s Goal Tracker for tracking my word count progress. But I also put a sticker on my wall calendar for every day I write, because it’s a constant reminder of my commitment. If I skip a day, I’m going to have to live with that gaping, stickerless square staring at me for the rest of the month.

Adapt as Needed

Knowing how to adapt your routine is as important as knowing how to start a writing schedule. You may dive into your new system and discover that something’s off.

Maybe you thought it would be a great idea to write after everyone’s asleep, but now that you’re doing it, you can barely keep your eyes open. Or maybe you discovered that your plan to write for five hours every Sunday was a little too ambitious.

Whatever needs to change, change it! This is all about discovering what’s going to work best for you.

Just make sure the problem is the schedule and not the fact that you haven’t found your flow yet. You might want to give your new routine two or three weeks before you mix it up.  

Reward Yourself

Build rewards into your system. How will you treat yourself for reaching key milestones?

Maybe it’s a fancy latte after you show up for all your writing sessions in the first week. Then a long nap to celebrate a month of meeting your daily word count goal every day. Maybe you treat yourself to one of these goodies when you complete the first draft of your novel.

Rewards don’t have to be big or expensive. They should be pleasant and feel at least a little special. 

But the point here isn’t just to create an incentive to stick to your schedule. It’s also to highlight the progress you’re making. Rewards keep you motivated because they draw attention to the fact that what you’re doing is working .

And that ongoing motivation is the key to creating a writing schedule that actually sticks.

Now, we’ve got one more important thing to cover.

How to Manage Those Writing Schedule Shake-Ups

Remember when I said that leaving yourself space to be human is key to maintaining an effective writing schedule? This is the kind of stuff I was talking about.

Here’s how to navigate it without abandoning your routine.

Writer’s Block

There will probably come a time in your creative process when the words just… won’t. 

They won’t come. They won’t play nicely together. You’ll struggle to come up with the next scene, despise everything you write, and consider bailing on the whole operation. 

Keep going. Write anything. Write about how you’ll never write again. Let it be awful. Or let it be nothing! Type and delete the same terrible sentence until the writing session is over. Try some of the exercises in this article .

Do what you have to do but keep showing up. It’s going to feel like an utter waste. It’s not. At the very least, you’re solidifying the habit and showing yourself that you’re a writer, even when it’s hard. 

Writer’s block usually comes from a fear of failure or a bout of creative stuckness. Burnout happens when you’ve been pushing too hard for too long and your writer’s heart is lying all floppy in your chest like a deflated balloon.

You’re exhausted. You’re sick of your own story, you’re bored with your own words, and you can’t tell if anything you’ve written is any good.

Take a break. Let the burnout itself tell you what you need, whether it’s a weeklong vacation or a writing session spent hiking instead. Put the break on your calendar so you know when to come back.

Disruptions

Stuff happens. Accidents, illness, weddings, funerals, parent-teacher conferences. 

When an unavoidable event forces you to skip a writing session, don’t let it tank the whole routine. Just pick it back up on the next day.

Now, if it’s an ongoing disruption like physical illness, grief, or depression, allow yourself to relax your schedule. What’s the absolute best you can do on your worst day? That’s your new goal.

I just went through this. I’ve been sick three times in three months, and it royally wrecked my routine. It was hard to stay awake and my brain was… not a smart brain.

So I set my regular expectations aside and made a different commitment. I’d do at least ten minutes a day, and it could be ten minutes of any writing. Journaling, poetry, my work-in-progress, whatever I was able to manage.

Without giving myself that super low bar to clear, I would have written a lot less and felt a lot worse.

You might experience a writing schedule shake-up that’s not about subtracting writing hours but adding them.

Maybe you’re under contract and have a deadline. Or you took on a bold, short-term goal, like writing a novel in a month .

These productivity explosions can be great for increasing momentum and testing your limits. My only advice would be to lay out your plan as clearly as possible. 

Where are you going to put all those extra writing hours? When will you start your big goal? When will your writing schedule return to normal? Put it all on the calendar.

2024 NFL preseason schedule: Opponents, dates, times, matchups for entire slate

The entire nfl preseason schedule is here.

The entire 2024 regular season NFL schedule  was unveiled, along with the league's preseason slate. The appetizer of games before the main course, the league's preseason has been reduced from four games to three since the 17-game schedule began in 2021. 

The teams that don't have nine regular-season games at home have two preseason games at home, bringing an evenly balanced schedule of 10 home games for each team. 

CBS will broadcast the Week 3 game between the Arizona Cardinals at Denver Broncos at 8 p.m. ET. 

The preseason begins Aug. 1 with the Hall of Fame Game in Canton, Ohio, between the Houston Texans and Chicago Bears (8 p.m. ET, ESPN/ABC), which kicks off enshrinement weekend. Here is the official week-by-week preseason schedule (not all times and dates are official).

Latest rumors, leaks and updates from the 2024 NFL schedule release

The NFL has set its 2024 schedule release for Wednesday night. However, plenty of small rumors and leaks have already begun to trickle out about certain matchups ahead of the official announcement .

While coverage for the full release will begin at 8 p.m. ET, there have already been a few early official reveals from the NFL. Among them is this year's slate of international games . One of them will be the league's first-ever game in São Paulo, Brazil, in addition to three games in London in October and a November game in Munich.

Several other games have already received official announcements from the NFL, including the annual NFL Kickoff game that begins each season. This year, the game will be a rematch of last year's AFC Championship Game as the Baltimore Ravens face the reigning Super Bowl champion Kansas City Chiefs at Arrowhead Stadium.

2024 NFL SCHEDULE: Matchups we know ahead of Wednesday's big unveiling

NFL schedule release: All 32 teams' travel mileage in 2024 revealed

ESPN insider Adam Schefter posted a graph to X (formerly Twitter) showing that the Los Angeles Chargers would accumulate the most mileage of any NFL team with their travels in the coming season. The Washington Commanders will travel the fewest miles.

NFL schedule leak: Full Giants schedule leaks early

The New York Post has learned and published the full, 17-week slate of games for the New York Giants in 2024. According to the leak, the team will play in three prime-time games in the first eight weeks as well as in one of the games on Thanksgiving.

This schedule is not yet official. The NFL makes its official announcement of the full 2024 NFL schedule on Wednesday night.

NFL schedule leak: Christmas Day games confirmed by NFL Network

NFL Network's Ian Rapoport confirmed an earlier rumor about the 2024 Christmas Day games on Netflix with a post to X (formerly Twitter).

Sports Illustrated senior writer Conor Orr updated his followers on X (formerly Twitter) that according to what he's heard, the Jets "got absolutely hammered" by their schedule.

NFL schedule leak: Christmas Day games unveiled

The NFL will play two games on Christmas Day this year, and the league announced yesterday they had signed a deal with Netflix to give the streaming service exclusive rights to Christmas games for the next three years.

According to NFL insider Jordan Schultz, those two games will be a couple of AFC matchups, including a rematch from last year's playoffs.

The Athletic's Green Bay Packers beat writer, Matt Schneidman, revealed the time and week for several of the Packers' home matchups this year. His reveals include one of the Thanksgiving Day games.
