PowerPoint Backgrounds: How to add and change

If you want to recolor or add an image to fill the backdrop of your PowerPoint presentation, you can do this by adding a background to one or more of your slides. You can use the background feature to add an image, color, or pattern that fills the entire slide behind your content. You can use different backgrounds for different slides to create contrast, highlight a topic, or match a theme.

How to add a background to a specific slide in PowerPoint:

1. Select the PowerPoint slide that you want to add a background to. You can do this by clicking on the slide thumbnail in the left pane, or by using the arrow keys on your keyboard.

2. Go to the Design tab on the PowerPoint ribbon and click on Format Background in the Customize group. This will open the Format Background pane on the right side of the screen.

3. In the Format Background pane, you can choose from various options to customize your background. You can select a solid fill, a gradient fill, a picture or texture fill, or a pattern fill. You can also adjust the transparency, brightness, contrast, and other settings of your background.

4. To apply the background to a selected PowerPoint slide, make sure that the Apply to All button is not selected at the bottom of the Format Background pane. However to apply the same background to all slides in your presentation, click the Apply to All button.

5. Close the Format Background pane by clicking the X icon at the top right corner. Note that you can also use the Reset Background button to undo any changes you made to the background.

That's it! You have added a background to a specific slide in PowerPoint. If you are applying backgrounds only to specific slides, simply repeat these steps for any other slide that you want to customize with a different background.

How to update the background of a PowerPoint slide

If you have an existing PowerPoint slide or presentation with a background, it's easy to change. To update the background of PowerPoint slides the steps are largely the same:

• Right mouse click on the slide and select 'Format background'. The Format Background pane will open
• Make required changes via the Format background pane
• If you would like the changes made to be applied to the other slides in your presentation, select 'Apply to all' at the bottom of the Format Background pane
• Once you are happy with the changes, close the Format Background pane

Troubleshooting steps: if the Format Background option does not show a background

Note - if you have a color or image on the background of a PowerPoint slide which doesn't update once you have made the update, there are a couple of troubleshooting options to try:

• Manually added backgrounds: check if the background has been added manually to the slide. Simply click on a portion of the PowerPoint slide not covered by textboxes or objects, to see if the background will move. If it does, simply delete it use the Format Background method for adding any new background color or imagery.
• Manual added and locked backgrounds: if the Format Background does not show any background information and you cannot move the background by selecting it, the background may have been manually added and locked. You will be able to tell if there is a locked shape or image on the background if there is a darker line that appears around the perimeter of the slide when you click on the area not covered by textboxes. You can also right click, and if you see an "unlock" option this indicates there is a locked shape. Simply unlock the shape and delete it. Then use the Format Background method for adding any new background color or imagery.

Format tables in PowerPoint

When you create a table from the Insert Table dialog box or the Table button , the table is automatically formatted with one of the preset table styles.

Format the table

You can format an entire table or individual cells by using the commands on the Table Design and Layout tabs, which appear after positioning the cursor inside the table or selecting a table element (table is active):

Working with tables in PowerPoint is almost the same as working with tables in Word. See also Select table elements in Word .

Modify table style options

On the Table Design tab, in the Table Style Options group, select or clear any of the six options:

• The selected Header Row checkbox determines the first row of the table contains column headings.

Note : PowerPoint tables don't support formulas. You can create an Excel spreadsheet on a PowerPoint slide to use any Excel formulas and functions.

• Select the First Column checkbox to determine the leftmost column of the table contains row headings.
• Select the Last Column checkbox to specify the rightmost column for summarizing the earlier columns.
• The Banded Rows and Banded Columns options alternate the background color of rows and columns (see how to change the background color for the selected cells below).

Note : Certain Table Style Options may have a different effect depending on the Table Style you've chosen. You might need to experiment to get the look you want.

Apply a predefined Table style

When you create a table from the Insert Table dialog box or the Table button , the new table is automatically formatted with one of the preset table styles used by default (see below for how to change the preset style used by default ). Styles include a variety of borders, colors, and other attributes that give a table a professional appearance.

PowerPoint offers several predefined styles you can use for the table. You can change the table style if desired or remove all styles from the table, leaving it plain black and white.

To choose any of the predefined styles , do the following:

   1.   Select the table.

   2.   On the Table Design tab, in the Table Styles group, in the Table Styles gallery, click the More arrow to see the complete list of styles:

   3.   Select the table style you prefer:

The Table Styles gallery includes four categories of styles:

• Best Match for Document includes styles use theme colors applied to the slide,
• Light , Medium , and Dark include styles with few, medium, or more formatting.

• Predefined styles vary depending on the Theme applied for the presentation or slide (see more about Themes ). For example, if the Facet theme is applied:

   4.   Point to table styles to preview their effects on the table.

   5.   Click the thumbnail to apply the corresponding style.

Note : The selected style overrides the table's previously added style changes.

To remove all styles from the table , on the Table Design tab, in the Table Styles group, in the Styles Gallery , click the More arrow, then select Clear Table :

Apply background colors and shading

To fill one or more cells with a specific color, select the cell or cells, then do one of the following:

Using the ribbon tab

On the Table Design tab, in the Table Styles group, click the Shading button to choose a fill type from the color picker:

• Select one of the six shades of each of the 10 theme colors in the Theme Colors palette. Colors in this palette depend on the current Theme .
• Select one of the 10 standard colors available in all Microsoft documents in the Standard Colors palette, regardless of the theme. The colors in this palette are the same on all computers.
• Select any of the non-standard colors you have used recently if there are any in the Recent Colors palette.
• Click No Fill to make the object transparent.
• Click More Fill Colors... to use non-theme colors (see how to apply a solid color for more details).

   1.   Click the Eyedropper . The cursor changes to the shape of an eyedropper.

   2.   Click any element on the slide to select that color:

• Choose No Gradient to remove gradient filling,

The table fill color is only visible in cells with an individual fill set to No Fill (or a translucent fill, in which case it blends).

Using the Format pane

Right-click the selection and choose Format Shape... in the popup menu:

On the Format Shape pane, on the Shape Options tab, in the Fill & Line group, in the Fill section, choose the one you need:

The No fill option also is used to clear the selected cell or cells fill formatting.

Note : By default, fill colors are opaque (other background formatting does not show through). A transparency setting of 100% makes the fill color invisible, while the default value for an opaque color is 0%.

• Insert any graphic object such as a picture, SmartArt, chart, diagram, etc., from the Clipboard .

You can select from various textures, including fabric, marble, granite, wood grain, and Formica-like textures in various colors. See how to use a texture fill .

Format linked or embedded tables

You can't format linked or embedded table data in the same way that you can format a PowerPoint table on a slide:

• An embedded table opens in an Excel window on the slide,
• A linked table opens in a separate Excel window.

The correct way is to modify the source document, not the linked object on the slide, as any content or formatting changes the linked object on the slide. Any content or formatting changes you make to the linked object will be overwritten the next time you open the presentation because PowerPoint will update the linked object to reflect the information in the source document.

Clear background colors and shading

To clear a cell fill color, select the cell or cells you want to clear, then do one of the following:

• On the Table Design tab, in the Table Styles group, on the Shading menu, click No Fill .
• On the Format Shape pane, on the Shape Options tab, in the Fill & Line group, in the Fill section, choose No fill .

To clear the table fill color, click inside the table to activate it, then on the Table Design tab, in the Table Styles group, click the Shading button to open the dropdown list, then from the Table Background list, choose No Fill :

A Shock of Red for a Royal Portrait

A new portrait of King Charles III is bathed in symbolism.

Royal portraits, as a rule, tend to be fairly staid, predictable affairs. Full of symbolism, sure, but generally symbolism of the traditional, establishment kind: symbols of state, of office, of pomp and lineage.

Which is why the new official portrait of King Charles III by Jonathan Yeo, the first since the king’s coronation, has created such a controversy.

A larger-than-life (7.5 foot-by-5.5 foot) canvas, the portrait shows the king standing in his Welsh Guards uniform, hands on the hilt of his sword, a half-smile on his face, with a butterfly hovering just over his right shoulder. His entire body is bathed in a sea of crimson, so his face appears to be floating.

Though the butterfly was apparently the key piece of semiology — meant, Mr. Yeo told the BBC , to represent Charles’s metamorphosis from prince to sovereign and his longstanding love of the environment — it was the painting’s primary color that almost instantaneously gave new meaning to the idea of “seeing red.” It was practically begging for interpretation.

“To me it gives the message the monarchy is going up in flames or the king is burning in hell,” one commentator wrote under the royal family’s Instagram post when the portrait was unveiled.

“It looks like he’s bathing in blood,” another wrote. Someone else raised the idea of “colonial bloodshed.” There were comparisons to the devil. And so on. There was even a mention of the Tampax affair , a reference to an infamous comment by Charles revealed when his phone was hacked during the demise of his marriage to Diana, Princess of Wales.

It turns out that red is a trigger color for almost everyone — especially given the somewhat meta endeavor that is royal portraiture: a representation of a representation, made for posterity.

In his interview with the BBC, Mr. Yeo noted that when the king first saw the painting, he was “initially mildly surprised by the strong color,” which may be an understatement. Mr. Yeo said his goal was to produce a more modern royal portrait, reflecting Charles’s desire to be a more modern monarch, reducing the number of working royals and scaling back the pageantry of the coronation (all things being relative).

Still, the choice of shade seems particularly fraught given the … well, firestorm the king has endured since his ascension to the throne.

Consider, for example, the continued falling out with his second son, Prince Harry, and the publication of Harry’s memoir, with its allegations of royal racism ; the related calls for an end to the monarchy; Charles’s cancer diagnosis; and the furor over the mystery about Catherine, Princess of Wales , whose own cancer diagnosis was revealed only after increasingly unhinged speculation about her disappearance from public life.

Queen Camilla, who has been through her own ring of flames, reportedly told the artist, “You’ve got him.”

It’s hard to imagine Mr. Yeo didn’t anticipate some of the reaction to the portrait, especially in the context of his past work, including portraits of Prince Philip, the king’s father, and Queen Camilla, which are more traditional depictions. Indeed, the last time a royal portraitist attempted a more abstract, contemporary interpretation of their subject — a 1998 portrait of Queen Elizabeth II by Justin Mortimer, which depicted the queen against a neon yellow background with a splash of yellow bisecting her neck — it produced a similar public outcry. The Daily Mail accused the artist of cutting off the queen’s head.

The portrait of King Charles will remain on display at the Philip Mould Gallery until mid-June, when it will move to Drapers’ Hall in London. (It was commissioned by the Worshipful Company of Drapers, a medieval guild turned philanthropy, to reside among hundreds of other, more orthodox royal portraits.)

In that setting, Mr. Yeo’s work may be especially telling: reflective of not just a monarch, but also the evolution of the role itself, the conflicts around the job and a king captured forevermore in what very much looks like the hot seat.
