Save PowerPoint presentations as PDF files

When you save presentation as a PDF file it freezes the formatting and layout. People can view the slides even if they don’t have PowerPoint, but they can’t make changes to it.

Select File > Export .

Save a presentation as PDF

Click Create PDF/XPS Document , then click Create PDF/XPS .

In the Publish as PDF or XPS dialog box, choose a location to save the file to. If you want it to have a different name, enter it in the File name box.

Optionally, if you want to change what the final PDF file is like, do any of the following:

At Optimize for , select Standard for higher quality (for example, if you want to print it). Select Minimum size to make the file smaller (for example, if you want to send it as an e-mail attachment).

Click Options to set how the presentation will appear as a PDF. Here are some of the available options:

To save the current slide only as a PDF, under Range , select Current slide .

To save specific slides as PDF, in Slides(s) , enter the slide number range in From and To boxes.

If you don't want to save slides, but instead only save comments, handouts, or Outline view, under Publish what , select an appropriate option. You can also specify the number of slides to appear in Slides per page dropdown box, and modify the order ( Horizontal or Vertical ).

You can choose to include frame slides, hidden slides, comments, ink, non-printing information such as Document properties or Document structure tags, in your PDF by selecting the appropriate options.

Click Publish .

There are two ways to make your PowerPoint for macOS presentation a PDF.

You can save your presentation as a PDF in File > Save As .

You can export your presentation as a PDF file by going to File > Export .

Both methods do the same thing, so you can choose whichever you're more familiar with when you want to create a PDF version of your presentation.

Method 1: Save your presentation as a PDF

Select File > Save As .

Choose the location where you'd like to save your PDF, and then in the File Format menu, choose PDF.

Set the print quality of the PDF

Features such as saving notes, saving slides as handouts, including hidden slides in the PDF, or setting the PDF to a smaller file size aren't available. However, you can set the print quality of a PDF to a higher or lower standard.

Tip:  PowerPoint for macOS doesn't preserve hyperlinks in PDFs but if you save your presentation to OneDrive you can open it in PowerPoint for the web and download as PDF from there. PDF files generated from PowerPoint for the web preserve hyperlinks, are accessible, and also tend to have a smaller file size.

You can set the print quality of the PDF to High , Medium , or Low —depending on your need. By default, the print quality is set to High—which is the optimal choice for printing a PDF. Follow these instructions to set the print quality of the PDF:

Click the PowerPoint menu > Preferences .

In the PowerPoint Preferences dialog box, click General .

Under Print Quality (Paper/PDF) , set the Desired Quality to an option of your choice.

Set the print quality of the PDF to High, Medium or Low

Click the File tab, click Download As , and then click Download as PDF . (The file is converted to PDF, and then a dialog box tells you that it is ready to download.

Click Download . A message bar appears to show you that the downloaded PDF file is ready to save to your computer. (The exact message varies depending on the web browser you're using.) 

Click Save As , and then a dialog box appears that allows you to specify where to save the file on your computer.

If you want to share your presentation with someone that doesn’t have Microsoft PowerPoint, you can save and share the file as a PDF. You can also adjust the way the slides appear on the PDF. Here's how.

When you save a PowerPoint presentation as a PDF file, the layout, format, fonts, and images of the presentation will remain the same. This lets users without access to PowerPoint view the presentation (though they are unable to edit it).

First, open the PowerPoint presentation to be saved as a PDF. Select the “File” tab and then click the “Export” option in the left-hand pane.

You’ll then be at the “Create PDF/XPS Document” tab. Here, select “Create PDF/XPS.”

Window’s File Explorer will appear. Select the location in which you would like to save your new file. You can see that the “Save as type” is now PDF. You can also rename the file as you like.

You may also notice the “Optimize for” options at the bottom-right of the window:

  • Standard: This is a high-quality version of the document, ideal for when you only plan to publish it online or print it out.
  • Minimum Size: This is a lower-quality version of the document. It’s also suitable for publishing online, but ideal for when you need to send the document as an email attachment, as it reduces the size of the file .

You can also set specific options to adjust how the file appears. To do this, click the “Options” button underneath.

The “Options” window will appear, and you have several options to choose from. Here’s a brief overview of what’s available:

  • Range: Export all slides, the current slide, or a selection of slides from your presentation.
  • Publish Options: You can choose to export only comments, handouts, or outline view here by selecting the “Publish What” option. You’re also able to dictate how many slides appear on each page, flip the slides horizontally or vertically, or give the slides a frame.
  • Include Non-printing Information: Include document properties or structure tags.
  • PDF Options: Make the document PDF/_A compliant.

Once you’ve adjusted the options, click “OK.”

Finally, back at Windows File Explorer, click “Publish.”

Your PDF is now ready to share.

How to save a PowerPoint presentation as a PDF to lock in formatting and allow anyone to view it

  • You can save a PowerPoint presentation as a PDF to lock its content and formatting in place, so that other people can view the file but can't make changes.

1. Open the PowerPoint to be converted, then click "File."

2. Select "Export" from the dropdown menu.

Saving a PowerPoint as a PDF from the web is simple. Just click the "File" tab, then choose "Download As" from the dropdown and select "Download as PDF." The language of the "Save As" or "Download As" option differs slightly depending on your OS.

QBE North America Unveils Insights on Cyber, Labor and Financial Challenges in 2024 Commercial Construction Risk Report

New York, NY, May 14, 2024 – QBE North America today announced the release of its 2024 Commercial Construction Risk Report , uncovering key risks and emerging challenges within the commercial construction industry. Highlighting cybersecurity threats, financial challenges and labor shortage as significant concerns, the report sheds light on the industry’s unique risks threatening project timelines, budgets and safety.

"Our goal was to identify and evaluate the primary risks threatening the success of commercial construction projects," said Ryan Powers, SVP, Head of Construction at QBE North America. "Through this report, we aim to highlight these critical concerns and examine the industry’s level of preparedness in mitigating these key risks."

The report surveyed 500 commercial general contractors and construction managers. Key findings include:

  • Least prepared for the top risks : Survey respondents identified cybersecurity (42%) as the industry's top risk, closely followed by concerns over cost overruns (35%), high interest rates (33%), labor shortage/lack of skilled labor (28%) and the potential for an economic downturn (28%). Interestingly, these are the same risks that respondents feel least prepared for and most vulnerable, signaling a pressing need for enhanced risk mitigation strategies.
  • Managing rising costs is a challenge : Inflation, including the rise in material and labor costs, can threaten project timelines and profitability. Survey respondents identified high interest rates (40%) and owner contract disputes (40%) as primary factors leading to cost overruns.
  • Adopting new technology as cyber threats intensify : The industry is adopting new technology to improve safety (46%), quality of work (46%), and collaboration and efficiency (44%), but it must also address the growing number of cyber vulnerabilities, exposures and threats.
  • The need for skilled labor outpaces the demand : The ongoing labor shortage is impacting many trades, including electrical, HVAC, heavy construction, among others. An aging workforce is contributing to the widening gap of job openings and the availability of skilled labor. Inexperienced workers may intensify issues related to work quality and safety.
  • Risk management strategies can improve : Nearly half (49%) the survey respondents intend to improve their safety plan over the next 12 months. While risk management training is currently provided to employees, survey respondents recognize that training needs to be of a higher quality (55%) and more frequent (51%).

“There are a multitude of risks confronting the commercial construction industry, with new challenges emerging,” Powers added. "Mitigating the potential impact of these risks requires an ongoing commitment and proactive measures to ensure a more efficient, safer and resilient future.”

The 2024 Commercial Construction Risk Report from QBE North America highlights the need for the industry to strengthen its risk mitigation strategies. As emerging trends, new opportunities and innovation continue to shape the commercial construction landscape, identifying, evaluating and mitigating risks is critical.

Survey Methodology

The QBE Survey was conducted by Wakefield Research among 500 U.S. commercial general contractors and construction managers at companies with a minimum annual revenue of $20M USD, between March 11 and March 24, 2024, using an email invitation and an online survey. Results of any sample are subject to sampling variation. The magnitude of the variation is measurable and is affected by the number of interviews and the level of the percentages expressing the results. For the interviews conducted in this particular study, the chances are 95 in 100 that a survey result does not vary, plus or minus, by more than 4.4 percentage points from the result that would be obtained if interviews had been conducted with all persons in the universe represented by the sample.

Learn how to present a PDF in a way that can engage your audience and share your ideas effectively, no matter what tools you have available. You may have to share information from a PDF document when you’re getting ready to give a presentation at work or school. But what’s the best way to display a PDF if you want to keep your audience interested? Read on to learn two ways to give an engaging and eye-catching PDF presentation.

How to present a PDF.

You have a few options for presenting your PDF slideshow. PDF presentation mode is available on most PDF editing software but not necessarily in a PDF viewer. You can also, of course, convert your PDF to a PowerPoint presentation. The simplest way to present your PDF is to share your screen or project the view of your PDF from a free PDF viewer. Check out the instructions for these various methods below.

Option 1: Use PDF presentation mode.

If you use PDF presentation mode, you won’t have to convert your PDF and worry about formatting issues. You will also have preference options as you learn how to put a PDF in presentation mode. Follow these steps:

  • Open your PDF in Adobe Acrobat .
  • Select File > Preferences > Full Screen View to select options for your presentation.
  • Select View > Full Screen.

The options will allow you to decide things like whether you will time your slides and which transitions you want between slides. You can also use a similar process with Preview on your Apple device.

How to present a PDF document

With Adobe Acrobat online services, it’s fast and easy to convert PDFs into PowerPoint presentations. Simply follow these three steps:

  • Navigate to Acrobat online services and launch the Convert PDF to PowerPoint tool.
  • Drag and drop your PDF file into the converter or click Select A File to locate it.
  • Download your presentation once the converter has finished.

You can now open the slideshow as you would any ordinary PowerPoint presentation. And as a bonus, you can edit the text, images, and formatting directly in PowerPoint.

Option 3: Present a PDF using a PDF reader window.

The easiest way to include a PDF file in your presentation is simply by using your PDF reader . Most video call applications let you share your screen and display the PDF to others. If you’re at an in-person meeting, you can also project the PDF reader onto a screen.

To share your screen with your PDF reader in a call, you’ll need to follow these steps:

  • Open your PDF in your PDF reader, and leave it open.
  • Begin your video call.
  • Select the screen-sharing option.
  • Select the PDF reader as the screen you’d like to share.

Although letting others see your PDF reader may be easy, it isn’t always the most optimal way to give a presentation. It can be slow to scroll through the pages of the PDF file — plus, depending on the orientation, you may also not be able to display an entire page while keeping text at a legible size.

Why create PDF presentations vs. other methods?

PDF slideshows have several advantages. You might be creating a presentation from a PDF as your original document. In that case, there’s no need to complicate your process and convert your PDF into another format. Unlike other presentation methods like PowerPoint, you can present your PDF on any device. PDF presentations also tend to use less storage. Additionally, since one of the main purposes of a PDF is to retain the formatting, you can trust that your fonts and structure will remain stable for your presentation.

What is PDF presentation mode?

PDF presentation mode is the simplest option for presenting a PDF. It doesn’t require converting your file or downloading extra software. It allows you to present your PDF in full screen and use your keys to toggle between pages. You can create transitions between your pages and even time your slides. One limitation of PDF presentation mode is that it doesn’t support videos.

Can I see my notes in PDF presentation mode?

While putting your PDF in full-screen presentation mode shows your slides neatly, it doesn’t show your presenter notes separately on your personal device. If you need to have notes on hand, you can always print them out or give yourself concise notes as reminders on the slides themselves. If you have converted a PowerPoint presentation to a PDF, your notes won’t be lost. They’ll be available for you to look at under Options > Publish > Notes pages.
