Microsoft Word

To save your cover letter or resume as a Word document, follow these steps:

  • Open up your cover letter or resume in Word
  • Under “File”, hit “Save As…”
  • A dialogue box will appear. Next to “Save As:” at the top, name your file.
  • Next to “File Format:”, located near the bottom of the screen, check to see that your file is saved as a Word document (this should be selected by default).
  • Once you have confirmed this, hit “Save”.

Google Docs

Google Docs is convenient because it auto-saves your files. However, you’ll need to do a bit of work in order to share it with your recruiter or hiring manager. Here’s how:

  • Open your Google Doc. The filename is displayed in the top left-hand corner of the screen, next to the blue docs icon. Double click to edit.
  • Go to “File”, then click “Share”.
  • A dialogue box will appear. You can either:
  • Share with people directly, under “Share with people and groups”, if you know their email
  • Under “Get link”, hit “Copy link” for a sharing link, which you can send via your application

Export as a PDF in Word

Here’s how to save your Word Document as a PDF:

  • Open up your cover letter or resume in Word.
  • Go to “File”, and hit “Save As…”
  • A dialogue box will appear. Name your cover letter or resume file in the field next to “Save As:” at the top.
  • Click on the field next to “File Format:”, located near the bottom of the screen, and choose “PDF”.
  • Once that has been selected, click “Export”.

Once you’ve chosen your resume file format and appropriate names for your cover letter and resume files, upload to the tool below — it’s a good way to check if your resume is readable by Applicant Tracking Systems (ATS). Here are some of the whys (and why nots) of resume file naming conventions.

Avoid generic resume file names

Avoid cover letters and resume files that aren’t clearly named — like those that are titled with a long string of numbers, or others that are just called “CoverLetter” or “Resume” with no other identifying information.

Poorly-named cover letters and resume files make it harder to tell at a glance what a file contains and who it belongs to, which means that you run the risk of having your cover letter and resume accidentally discarded and your application ignored for being incomplete.

Keep file names short

Long file names are difficult to read and hard to identify at a glance. Plus, file names (on both Mac and Windows) have a character limit of around 255 characters or so. Exceed that number, and you won’t even be able to save your file.

Leave out the date and version number

Generally, there’s no need to date your cover letter and resume — especially if you haven’t updated them for years. You don’t want an employer to know that you’re using the same old, basic cover letter specimen or resume template you’ve used since 2010.

The same principle applies to version numbers. You want your cover letter and resume to stand out on their own as final, definitive products, so leave out the “v3”. Remember, this is a job application, not a perpetually unfinished piece of software.

Don't use special characters

Use A-Z, 0-9, dashes, and underscores only. Ditch any special characters, symbols, or slashes. This includes accents. There's no need to get fancy with your file name — call it a “resume,” not a “résumé.”

Don’t touch the spacebar

Unfortunately, cover letter and resume file names with spaces in them will convert to “%20” symbols upon uploading to certain Applicant Tracking Systems (ATS) — so a seemingly well-titled “John Smith Resume.pdf” will become "John%20Smith%20Resume.pdf," which is awkward and hard to read. If you need to space out words, dashes and underscores are your friends.

Don't worry about capitalization

You can write your file names in either title case, sentence case, or in all lowercase. Most employers don’t care either way, so it’s not a big deal — though title case (capitalizing the first letter of words) is arguably easier to read and looks more polished than the other two options.

Order doesn't matter

When combining your name, job title, ID, "resume," or anything else into a file name, it doesn't matter which order you list them in. For example, “JohnSmith_Resume.pdf” or “CoverLetter_JohnSmith.pdf” would both be fine.

Follow instructions on the job posting

Any specific instructions on the job listing override any tips in this article. If the job ad specifies a specific file type (e.g., .docx over .pdf) or a particular naming convention (e.g., include your middle initial), then always name and upload your cover letter and resume in line with those directions instead.

Resume file formats

So far, we’ve covered how to name a cover letter and resume file, but what file type should you save it as?

Use PDFs generated in Word or Google Docs

While you may be tempted to save it as a Word document for the sake of convenience and simplicity, you should try to avoid this when possible. Different versions of Word may mess with your cover letter and resume’s formatting options, like margin widths , fonts , or headers . This means that your nicely-formatted document may not look as neat on your recruiter’s screen — or, in the worst case scenario, may not even be readable at all.

To make sure your recruiter sees what you see, you should export both your cover letter and resume as PDFs instead. Saving your finished files as PDFs ensures that all text formatting will be preserved, no matter what application a recruiter or hiring manager uses to open your cover letter or resume files. If you need to make any changes to your cover letter or resume, just edit it in your word processor, export it as a PDF again, and write over the existing PDF.

Don't use PDFs generated in Photoshop or Canva

That said, make sure you generate your PDF of either your resume or cover letter in a word processor like Microsoft Word or Google Docs. Do not use an image editing software like Photoshop or Canva which will result in your resume not being readable by Applicant Tracking Systems .

Don't use other file formats

If you use a different word processing software — like Open Office, LibreOffice, or a plain text editor — that's fine, but you should convert your file to a more standard format before sending it in. Emailing your resume as a .txt, .odt, or .odf file risks a recruiter not being able to open it.

Frequently asked questions

Why do file names matter.

The short answer: It helps recruiters identify your resume more quickly. While the way you title your cover letter and resume’s file names won’t make or break your application, it’s still important to name them in a way that’s professional and informative.

In reality, it’s good practice simply because it makes recruiters’ lives easier. After all, yours is not the only application a hiring manager will read — they likely have hundreds more to sort through — and clear cover letter and resume file names will help them find and identify your application more quickly.

Should I put my first name or last name first?

Use the format First Name Last Name — for example, "JohnSmith_Resume.pdf" instead of "SmithJohn_Resume.pdf." Why? Mostly, it's just more intuitive. If you have a surname that could also be a given name — or vice versa — it also helps clarify which is which.

Should I use my middle name?

Not unless you're instructed to, or unless you usually go by that name. If you prefer to be called Kelly Sue, then by all means, use that name on your resume file (and in your resume itself). Otherwise, stick to your first name and last name.

Why shouldn't I include the company name?

The hiring manager already works at the company you’re applying to, so it doesn't add anything useful. Instead, it makes your file name unnecessarily long and difficult to read. Some people think that this is a good way to 'personalize' your application, but it isn't — it's the content of the documents that matter, not the file name.

Does it matter if I send my resume as a Word .doc file instead of a .pdf format?

Not really, no. If you’re not comfortable saving your file as a PDF, you can elect to send in your cover letter and resume as a Word document (or a Google Doc). Just be aware that you run the risk of formatting issues if you do so.

Do I combine my resume and cover letter or send them separately?

When you are applying for jobs, it's important to give your  resume a title that makes it clear that the resume is yours, not just that of any random candidate.

It is particularly important when you send employers your resume and cover letter as attachments (either via email or through an online job application system). When the employer opens your document, he or she will see what you have named your document. You, therefore, want the title to be professional, and to state who you are clearly.

Read below for more advice on what to name your resume file and other job application documents, as well as what not to name them. Also, read below for advice on how to save your documents.

Don't email or upload your resume with the name resume.doc, unless you want a harried human resources associate to save over your file with someone else’s. With a generic file name, there will be no way to distinguish it from all the other resumes with the same name. 

Choose a file name that includes your name. This way, hiring managers will know whose resume it is, and it will be easier for them to track and manage it. It’s also less likely that they’ll lose it, or get your materials confused with someone else’s.

If you name your resume janedoeresume.doc, Jane Doe Resume.docx, or Jane-Doe-Resume.pdf, the employer will know whose resume it is at a glance and be able to associate it with the rest of your materials and application.

If you can fit it, use both your first name and last name. This way, your resume won't get confused with someone else's resume with the same name.

You might choose to provide a bit more detail in the title than simply your name. You can also include the title of the position in your document name for your resume and cover letter. You can use spaces or dashes between words; capitalizing words may help make the document name easier to read.

Remember that hiring managers and other people who will interview you are quite likely to see your cover letter and resume file names, so make sure those titles are professional and appropriate. Now is not the time to pull out your AIM screen names from middle school. Save the joke names for your private social media accounts and keep these file names professional and simple.

Consistency is important when naming your resume, cover letter, and other application documents, so use the same format for each. For example, if you simply use your last name and a description of the document for one title (“Smith Resume”), use the same format for all your other materials (“Smith Cover Letter”).

Make sure any capitalization, spacing, use of dashes, and other style choices are consistent between documents.

If you are applying for jobs frequently, it's possible that you have several versions of your resume saved on your computer. Avoid including version numbers (e.g., John-Smith-Resume-10.doc) in your file name and other cryptic codes.

Get rid of those numbers and codes when you submit your resume. An employer might get the impression that the job is halfway down a long list of potential opportunities. A hiring manager who sees “resume-10” as part of your file name will wonder what resumes 1 through 9 looked like and whether you’re just applying for every job in town.

Develop a filing system on your computer to keep track of the different versions of your resume, rather than using the file name for that purpose, and make sure that proofed, ready-to-go resumes are stored in a separate area from drafts.

Before submitting your resume or cover letter,  proofread  the document title. It sounds silly, but a typo in the title might make an employer think that you do not focus on details and that you are unprofessional.

It's important to send or upload your resume as a PDF or a Word document. This way, the receiver will get a copy of your resume and cover letter in the original format.

To name your Word document resume:

  • Click File, Save As
  • Type the name you want to use for your resume. For example, malcolmjonesresume.docx

To save a Word document as a PDF:

To convert your Word documents to PDFs, depending on your word processing software, you may be able to do so by clicking either "File," then "Save as PDF" or “File,” then “Print,” then “Save as PDF” (from the list of menu options in the bottom left-hand corner). If not, there are free programs you can use to convert a file to a PDF.

To save a Google Doc resume as a Word document:

  • Open the file in Google Docs
  • Click File, Download, Microsoft Word (.docx)

To save a Google Doc resume as a PDF document:

  • Click File, Download, PDF (.pdf)

Saving your resume and cover letter as a PDF will ensure that the formatting stays the same, even if the employer uses a different word processing program or operating system.

If the job listing requires you to submit your documents in a different format, be sure to do so. Not following instructions could cost you an interview.

Once you've named and saved your resume and cover letter, follow the directions in the job posting for applying for the position. You may need to send your application materials as an attachment , upload them to a job site, or upload them directly to an employer's application portal.

And regardless, you don’t want to miss the opportunity to tell prospective employers who you are, showcase why they should hire you, and stand out above all the other candidates.

What is a cover letter and why is it important?

A cover letter is a brief (one page or less) note that you write to a hiring manager or recruiter to go along with your resume and other application materials. Done well , a cover letter gives you the chance to speak directly to how your skills and experience line up with the specific job you’re pursuing. It also affords you an opportunity to hint to the reviewer that you’re likable, original, and likely to be a great addition to the team.

Instead of using cover letters to their strategic advantage, most job applicants blabber on and on about what they want, toss out bland, cliché-filled paragraphs that essentially just regurgitate their resume, or go off on some strange tangent in an effort to be unique.

Given this reality, imagine the leg up you’ll have if you learn how to do cover letters right.

OK, you’re sold on how important cover letters are. Here are eight steps to writing one that screams, “I’m a great hire!”

Step 1: Write a fresh cover letter for each job (but yes, you can use a template).

Yes, it’s way faster and easier to take the cover letter you wrote for your last application, change the name of the company, and send it off. But most employers want to see that you’re truly excited about the specific position and organization—which means creating a custom letter for each position.

While it’s OK to recycle a few strong sentences and phrases from one cover letter to the next, don’t even think about sending out a 100% generic letter. “Dear Hiring Manager, I am excited to apply to the open position at your company ” is an immediate signal to recruiters and hiring managers that you’re mass-applying to every job listing that pops up on LinkedIn.

Step 2: Add your contact info.

At the top of your cover letter, you should list out your basic info. You can even copy the same heading from your resume if you’d like. Some contact info you might include (and the order you might include it in) is:

  • Your pronouns (optional)
  • Your location (optional)
  • Your email address
  • Your phone number (optional)
  • Your Linkedin, portfolio, or personal website URL (optional)

Note that only name and email are mandatory, and you don’t need to put a full address on a cover letter or resume anymore. A city and state (or metro area) are more than enough.

So your header might look like this:

If the job posting tells you to submit your cover letter in the body of an email, you can add your contact info at the end, after your name (and if you’d like to forgo the email address here, you can—they have it already).

Step 3: Address your cover letter to the hiring manager—preferably by name.

The most traditional way to address a cover letter is to use the person’s first and last name, including “Mr.” or “Ms.” (for example, “Dear Ms. Jane Smith” or just “Dear Ms. Smith”). But to avoid accidentally using the wrong title, or worse, inadvertently misgendering someone—first and last name also work just fine. And if “Dear” feels a bit too stiff, try “Hello.” But never use generic salutations like “ To Whom it May Concern ” or “Dear Sir or Madam.”

Step 4: Craft an opening paragraph that’ll hook your reader.

Your opening sets the stage for the whole cover letter. So you want it to be memorable, friendly, conversational, and hyper-relevant to the job you’re pursuing.

No need to lead with your name—the hiring manager can see it already. But it’s good to mention the job you’re applying for (the hiring manager may be combing through candidates for half a dozen different jobs), and yes, you could go with something simple like, “I am excited to apply for [job] with [Company].” But consider introducing yourself with a snappy first paragraph that highlights your excitement about the company you’re applying to, your passion for the work you do, and/or your past accomplishments.

This is a prime spot to include the “why” for your application. Make it very clear why you want this job at this company . Are you a longtime user of their products? Do you have experience solving a problem they’re working on? Do you love their brand voice or approach to product development? Do your research on the company (and check out their Muse profile if they have one) to find out.

For instance, say you’re applying for a marketing job with a company known for its incredible pies and baked goods. You might want to use your opening to mention how you love pie so much that when you were in the 4th grade, you took the blue ribbon in the National Cherry Festival pie-eating contest. Or take a look at this cover letter hook by a client of career coach and Muse writer Jenny Foss , who was working to land a leadership role at a nonprofit specializing in fire prevention:

“I have a personal interest in fire prevention that dates back to my youth. Step 5: Convey why you’d be a great hire for this job.

A common cover letter mistake is only talking about how great the position would be for you . Frankly, hiring managers are aware of that—what they really want to know is what you’re going to bring to the position and company.

So once you’ve got the opening under wraps, you should pull out a few key ideas that will make up the backbone of your cover letter. They should show that you understand what the organization is looking for and spell out how your background lines up with the position. Study the job description for hints . What problems is the company looking to solve with this hire? What skills or experiences are mentioned high up, or more than once? These will likely be the most important qualifications.

Select the three to five important qualifications that you feel you exemplify best. For instance, maybe you’re looking for an account executive role and come across a posting that excites you. You might pull out these details that match you well:

  • The job description mentions meeting and exceeding quotas several times.
  • The company has a very collaborative, cross-departmental approach to solving problems.
  • The sales department requires a fast learner so the account executive can get up to speed quickly on leads and tailor pitches to their needs.

If you tend to have a hard time singing your own praises and can’t nail down your strengths, here’s a quick trick : What would your favorite boss, your best friend, or your mentor say about you? How would they sing your praises? Use the answers to inform how you write about yourself. You can even weave in feedback you’ve received to strengthen your case (occasionally, don’t overuse this!). For example:

“When I oversaw our last office move, my color-coded spreadsheets covering every minute detail of the logistics were legendary; my manager said I was so organized, she’d trust me to plan an expedition to Mars.”

Step 6: Back up your qualifications with examples and numbers.

Look at your list of qualifications from the previous step, and think of examples from your past that prove you have them. And go beyond your resume . Don’t just regurgitate what the hiring manager can read elsewhere. Simply put, you want to paint a fuller picture of what experiences and accomplishments make you a great hire and show off what you can sashay through their doors with and deliver once you land the job.

For example, what tells a hiring manager more about your ability to win back former clients? This: “I was in charge of identifying and re-engaging former clients.” Or this: “By analyzing past client surveys, NPS scores, and KPIs, as well as simply picking up the phone, I was able to bring both a data-driven approach and a human touch to the task of re-engaging former clients.”

Having trouble figuring out how to do this? Try asking yourself these questions and finding answers that line up with the qualifications you’ve chosen to focus on:

  • What approach did you take to tackling one of the responsibilities you’ve mentioned on your resume?
  • What details would you include if you were telling someone a (very short!) story about how you accomplished one of your resume bullet points?
  • What about your personality, passion, or work ethic made you especially good at getting the job done?

Come up with your examples, then throw in a few numbers. Hiring managers love to see stats—they show you’ve had a measurable impact on an organization you’ve worked for. Did you bring in more clients than any of your peers? Put together an impressive number of events? Make a process at work 30% more efficient? Work it into your cover letter!

Going back to the example from the last step. How could you prove that you’ll meet and exceed sales quotas if they hire you? Try something like:

“ I’ve always been very goal-oriented—whether that goal was hitting a new personal best on the swim team in college or smashing my quotas as a sales development rep for ZZZ Inc. As an SDR, I break my quarterly sales goals down month-by-month and then week-by-week—so that I always know whether I’m ahead, behind, or on-track. I also take an hour every Friday to reflect on what I could’ve done better in the previous week—so that I’m always improving. With these strategies, I’ve met my goals for meetings set 10 out of the last 10 quarters and actually averaged 114% to goal for finding leads that eventually turned into sales over every quarter last year. As an account executive for your company, I’d bring that same drive and systematic approach for meeting longer-term targets to my sales quotas. ”

Do this for each of the qualifications you want to focus on, and feel free to connect your accomplishments directly to the company. Pro tip: Use your space wisely. For more important qualifications, you might dedicate an entire paragraph, while others may only need a sentence or two.

Step 7: Finish with a strong conclusion.

It’s tempting to treat the final lines of your cover letter as a throwaway: “I look forward to hearing from you.” But your closing paragraph is your last chance to emphasize your enthusiasm for the company or how you’d be a great fit for the position. You can also use the end of your letter to add important details—like, say, the fact that you’re willing to relocate for the job.

Some advice might tell you to go with a hard close: Boldly insist that you’re the one, and that you’re going to call them within a week to set up a meeting. But with over 10 years of experience as a recruiter, Foss finds this annoying. It’s one thing to be proactive and confident but, to her, this approach feels like a cheesy tactic stripped out of an old school “How to sell yourself” textbook.

Instead, try something like this:

“I believe my energy, desire to innovate, and experience as a sales leader will serve OrangePurple Co. very well. I would love to meet to discuss the value I could add as your next West Coast Sales Director. I appreciate your consideration and hope to meet with you soon.”

Then be sure to sign off professionally , with an appropriate closing and your first and last name.

Step 8: Reread and revise.

We shouldn’t have to tell you to run your cover letter through spell-check, but remember that having your computer scan for typos isn’t the same as editing . Set your letter aside for a day or even just a few hours, and then read through it again with fresh eyes—you’ll probably notice some changes you want to make.

You might even want to ask a friend or family member to give it a look. In addition to asking them if they spot any errors, you should ask them two questions:

  • Does this sell me as the best person for the job?
  • Does it get you excited?

If the answer to either is “no,” or even slight hesitation, go back for another pass.

  • Go easy on the enthusiasm: We can’t tell you how many cover letters we’ve seen from people who are “absolutely thrilled for the opportunity” or “very excitedly applying!” Yes, you want to show personality, creativity , and excitement. But downplay the adverbs a bit, and keep the level of enthusiasm for the opportunity genuine and believable.

The bottom line with cover letters is this: They matter, much more than the naysayers will have you believe. If you nail yours, you could easily go from the “maybe” pile straight to “Oh, hell yes.”

Avoid generic openings like “To whom it may concern,” “Dear sir or madam,” or “Dear hiring manager.” These introductions sound impersonal — like you’re copy-pasting cover letters — and can work against you in the hiring process.

Be careful, though. When using someone’s name, you don’t want to use the wrong title or accidentally misgender someone. If in doubt, using only their name is enough. You could also opt for a gender-neutral title, like Mx.

3. Draw them in with an opening story

Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

  • They value collaboration and input from every team member
  • They need a planner who can come up with strong PR strategies

This will show the hiring manager that you’re not just applying left and right—you’re actually enthusiastic about getting this particular role.

Dear Mr. Smith,

My name’s Michael, and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked as a Sales Representative with Company X, another fin-tech company , for 3+ years, where I generated an average of $30,000+ in sales per month and beat the KPIs by around 40%. The second candidate starts with what they can do for the company in the future and immediately lists an impressive and relevant achievement. Since they’re experienced in the same industry and interested in finance, the hiring manager can see they’re not just a random applicant.

From this introduction, it’s safe to say that the hiring manager would read the rest of this candidate’s cover letter.

If a company doesn’t list the hiring manager on their website, LinkedIn is your next best resource.

Start off by searching for the company page on LinkedIn. Once you’re on the company’s LinkedIn page, click “See all X employees on LinkedIn” near the top.

Depending on the company size, you can either browse all positions or narrow your results by adding search terms to the search bar (e.g. “Marketing Manager”) and utilizing the “Current companies” filters on the right side of the screen.

Search for the “reports to” position from the job listing. If it wasn’t provided in the listing, search for keywords related to your prospective department (e.g. “marketing”). If the company uses an intuitive corporate hierarchy you should be able to determine who will be reading the cover letter.

Contact the Company Directly

There is nothing wrong with calling or emailing the company to ask for the name of the hiring manager. Be polite and honest with the administrative assistant or customer service representative. Explain that you’re about to apply for a job and you’d like to know who you should address in your cover letter.

If they aren’t able to provide an answer or transfer you to someone who knows, let it go. The last thing you need is word getting back to the hiring manager that you were pushy with one of their colleagues.

3) Use a More Personalized “To Whom it May Concern” Alternative

You can still personalize your cover letter, even when you don’t know the identity of the hiring manager. Instead of “To Whom It May Concern,” which casts a wide net and is specific to no one, try addressing your cover letter to one specific person.

The most generic version of this is:

How to end a cover letter

Just as important as beginning your cover letter is ensuring you end it on a strong note. Your cover letter ending should not be underestimated in its ability to help you move forward in the hiring process. After making your case in the previous paragraphs, you need to end your cover letter with a strong call to action to entice the recruiter to invite you for a job interview.

Madeline Mann , an HR leader in the technology industry and creator of Self Made Millennial , says that while no conclusion will save a bad cover letter, it can distinguish you from another good candidate.

It’s all about enthusiasm, according to Madeline. “Companies want people who want them,” she says. If you can draw to the company’s values and show how interested in working with them you are, that’s a substantial advantage. You want to create a lasting impression by incorporating that enthusiasm in your cover letter ending.

A good conclusion, in fact, should reflect the rest of your cover letter.

Set up the end of your cover letter with a strategic middle section

If you want your cover letter ending to be effective, you first need to build momentum. Most recruiters and career coaches agree that by the time you get to the end of your cover letter, it needs to possess the following three elements:

  • It tells a story about yourself
  • It shows your value concretely
  • It calls the recruiter to action

Julia Reiter, a career coach based in Toronto, suggests that you lead up to your cover letter ending by showing that you understand the company’s current challenges and are equipped to solve them. This will make your cover letter call to action all the more effective.

Although the job description will give you information about what the company is looking to accomplish, it will not help you distinguish yourself from other applicants. Show the company you are willing to go the extra mile by researching the key industry challenges and the particular issues they might be facing (beyond the obvious ones).

For example, you can read articles from industry-related publications and get acquainted with the numbers and statistics about the particular business areas your company is engaged in. By being aware of the particular issues they are facing, you can more easily make your skillset and experiences relevant.

When you talk about your past experiences and accomplishments , make sure you mention the problems the company is facing. For example, if you are applying for a customer success manager position at a Software-as-a-Service company, a relevant issue might be high churn rates.

Instead of writing something like “my experience in customer success makes me confident I will be a great addition to your team,” write something like “When I worked at XYZ company, I was able to reduce the churn rate by 30%. With this experience and my deep knowledge of B2B consumer psychology, I am prepared to ensure we have one of the lowest churn rates in XYZ industry.”

End your letter with a call to action

You may be tempted to write that “I’m looking forward to hearing from you” for your cover letter ending. That isn’t a call to action. For Madeline, the end of a cover letter serves to give one last push and show interest and enthusiasm in a way that stands out.

Likewise, Julia says, “now that the company knows you are aware of their current challenges and are equipped to solve those challenges for them, don’t leave them hanging. Tell them how they can make your skills and experiences a reality on their team. What number can they reach you at for an interview?”

How do you conclude a cover letter? Here are 3 examples

  • “I’m excited to have the opportunity to talk about how I could join your team in its quest for XYZ value. I’m particularly thrilled about XYZ project and would love to know how I can contribute to it.
  • “I am keen on meeting with you to see what I can contribute to XYZ company as it moves on in its journey to XYZ goal. I am available at your convenience for a phone call or in-person meeting.”
  • “I would love to get your thoughts on what I mentioned. I am happy to hop on a phone call at your earliest convenience to discuss how I can help XYZ company with XYZ issue.”

Mistakes to avoid when ending a cover letter

The mistakes people make when they end their cover letter are often the same ones they made earlier in the piece. However, they can be particularly detrimental to your chances of landing an interview if they constitute the final impression a recruiter has of you.

When ending a cover letter, avoid:

Making it about yourself instead of the company: use sentence constructions that make the recruiter see how the company is going to benefit from hiring you. For example, try to use “you” or “we” instead of “I.”

Sounding generic or robotic: we’ve all seen these cover letters that end with the same plain paragraph. If you write one of those, the last impression you’re giving is not different from those given by all other applicants.

Selling yourself short: the conclusion is your last chance to show off the value you can bring to the company. Emphasize it and use it as a segue into your call to action.

How to end a cover letter with the appropriate salutations

Always remember that recruiters review hundreds of applications for each position. When you are competing with that many candidates, the slightest mistake will disqualify you immediately Although you may not think too much of the salutations, they can hurt your chance of landing an interview.

Make sure your salutations are formal and polite. You should be respectful not only by indicating your appreciation of the recruiter’s time but also by being concise. Do not overdo your salutations and do not employ informal greetings. “Sincerely,” “Thank you for your consideration,” “kind regards,” are all safe options.

When ending your cover letter, you want to balance confidence, respect, and appreciation.

  • Applying directly to a specific person: Suppose the job posting invites applicants to apply to a particular individual instead of a general application system. In that case, it is appropriate to include a cover letter and address it to the individual . This is especially important for new grad nurses with less experience.
  • Referral for a position: Don’t skip the cover letter If you apply for work based on another professional or mentor’s recommendation. Your education and credentials make up only a small portion of who you are as a nursing professional. How someone looks on paper is not an indicator of how they will perform. It does not accurately gauge their character.

A cover letter provides the perfect opportunity to explain these situations.

Establish a willingness to work

Cover letters add an extra touch to a job application. As stated, nearly half of all job applicants fail to include a cover letter with their job applications unless requested.

Going that extra mile shows a hiring manager that you are willing to put the work in to get the job done right. That is a desirable quality for any business or industry, especially in nursing and other healthcare careers.

Steps for Writing Your Cover Letter

The nursing field requires structure and proper etiquette .

You wouldn’t walk into a patient’s room and say,

“hey, Adam, what’s up, man?” 

The same need for etiquette and structure applies to writing a cover letter. 

Accordingly, we have provided steps to writing a successful nursing cover letter. 

1. Create a header

When a nurse injects a patient with a vaccine, they clean the area first with an alcohol wipe. They don’t just stick the needle in. In the same vein, you need to start by listing your name, phone number, email, and residential address . 

Make sure you put the date under that information. 

Last, include the recipient’s contact information as well. 

2. Use a professional greeting

Your first paragraph serves as the bait or pitch to get the hiring manager’s attention. Don’t bother placing a fishing lure of fluff to try and get their attention. It’s essential to lead with honesty and earnestness. 

While writing this paragraph, make sure you include the title for the position you’re applying to. If you’re applying to work as an RN , state that. Next, articulate why you applied for this job to begin with and your overall excitement to obtain this role.

Make sure that you key in on specific details about the position and how they interest you.

Here’s an example of a stellar opening paragraph:

I am thrilled at the opportunity to apply at St. Joseph’s Hospital as an ICU nurse. As an ICU nurse with over six years of experience, I have gained the necessary skills to perform my role excellently. Specifically, I am excited about the opportunity to work on a 35-bed unit with the demands it requires. I think that my experience, passion, and skill set make me an ideal ICU nurse at St. Joseph’s Hospital.

4. Write your background paragraph

Dedicate this paragraph to your career in nursing up to this point. You want to include all the most applicable skills that pertain to this position. Be specific. Include the detailed duties that you performed that correspond to this new role. 

If you’re applying to work in oncology, but have training in wound therapy, maybe don’t lead with that. Try including only relevant examples. 

Next, include any measurable achievements you’ve had in other jobs that relate to this role. Keyword: measurable . 

Here’s an example of a job posting for an ICU nurse:

5. Expand on qualifications

Try adding a few short stories that can highlight your primary achievements. This is a great opportunity to highlight your soft skills as well.

  • Problem-solving skills
  • Ability to work under pressure

6. Craft a conclusion

In your concluding paragraph, circle back to why you’re the best candidate for this role. Try to expand on your eagerness to obtain the position. End the paragraph with a call to action . A call to action expresses your desire to hear from them soon with next steps regarding the hiring process.

7. End your letter formally

Just like you began your letter, conclude your letter professionally with a “Sincerely” or “Respectfully,” followed by your name. Ending your letter this way helps it end on a high, formal note. 

Common Mistakes to Avoid When Writing Your Cover Letter

In the nursing profession, a mistake can lead to a lawsuit. When writing a nurse cover letter a mistake could lead to you not getting a job. Below are some of the common mistakes to avoid when writing your cover letter.

  • Typos: The nursing profession has a lot of difficult and wonky spellings. For example, you may be proficient at Arrhythmia management , but do you know how to spell it? Having typos within your cover letter sends the message to your hiring manager that you might not be detail-oriented and that’s one of the most important traits in a nurse.
  • Focusing too much on yourself: According to Forbes, this is another common mistake to avoid . Often people try to list all their accomplishments in ways that don’t directly tie into how they can help the company . You want your cover letter to be strategic and it’s imperative to list ways that you can help the employer.
  • Lying: This should be obvious but it’s crucial that you tell the truth in your cover letter. The truth will eventually come out. The best policy is to just practice honesty.
  • Addressing the letter to the wrong person: This is a critical mistake. The recruiter or hiring manager probably will just stop reading at that point.
  • Re-writing your resume: Unfortunately, this is a common error when writing a cover letter. As explained earlier: resumes explain your worth, cover letters show your intent. They are two separate documents and a hiring manager will know if you attempt to merge them.
  • Using a different font than your resume: It may seem like a small detail, but using the same font on your resume shows that you pay attention to detail.

You’ve made it. Congratulations!

Writing a cover letter on its own separates you from the pack. However, writing a strong cover letter makes you an even more intriguing candidate. A nurse wouldn’t leave a stitch when sewing up a wound and neither should you leave a job unfinished when applying for a job.

Nursing Cover Letter FAQs

Your nursing cover letter shouldn’t be longer than a page. The recruiter should be able to read it quickly and get a good idea of what you offer the company. Anything longer than that and you risk the recruiter tossing your letter.

It’s best to use either Times New Roman or Arial when writing a nursing cover letter.

The cover letter should expand on information found in the resume. It should provide insight into your skills, qualifications and background.

Wordle Is a Love Story

The word game has gone from dozens of players to hundreds of thousands in a few months. It was created by a software engineer in Brooklyn for his partner.

Josh Wardle, a software engineer in Brooklyn, knew his partner loved word games, so he created a guessing game for just the two of them. As a play on his last name, he named it Wordle .

But after the couple played for months, and after it rapidly became an obsession in his family’s WhatsApp group once he introduced it to relatives, Mr. Wardle thought he might be on to something and released it to the rest of the world in October.

On Nov. 1, 90 people played.

On Sunday, just over two months later, more than 300,000 people played.

It’s been a meteoric rise for the once-a-day game, which invites players to guess a five-letter word in a similar manner as the guess-the-color game Mastermind. After guessing a five-letter word, the game tells you whether any of your letters are in the secret word and whether they are in the correct place. You have six tries to get it right.

Few such popular corners of the internet are as low-frills as the website, which Mr. Wardle built himself as a side project. There are no ads or flashing banners; no windows pop up or ask for money. There is merely the game on a black background.

“I think people kind of appreciate that there’s this thing online that’s just fun,” Mr. Wardle said in an interview on Monday. “It’s not trying to do anything shady with your data or your eyeballs. It’s just a game that’s fun.”

This is not Mr. Wardle’s first brush with suddenly capturing widespread attention. Formerly a software engineer for Reddit, he created two collaborative social experiments on the site, called The Button and Place , that each were phenomena in their moment.

A number of commemorations have marked the 80th anniversary of D-Day.

Royals, world leaders and veterans gathered in Normandy for a series of ceremonies and events, paying tribute to those who served during the 1944 beach invasion.

The King and the Prince of Wales praised the "bravery and sacrifice" of D-Day veterans who "served at that critical time" as they both made speeches in France today.

Here is a roundup of the highlights from the D-Day anniversary commemorations.

This was the day that the world made a journey to towns across Normandy. Those remarkable stories of bravery and acts of patriotism that have cemented D-Day in our consciousness, touching so many different nations.

From the 13 countries that made up those Allied troops for the landings thousands of people gathered onto those wide sweeping beaches for ceremonial events, others crowded into their towns and villages wanting to say a more personal thank you. 

But talking to those who've been here for previous commemorations, they told me that this year has felt different, an added significance, with precious few veterans still with us.

Whether it's been the international diplomatic events which always add that extra focus onto moments like this, or more intimate events up and down the coastline, the elderly have been treated with so much love and respect.

At a ceremony in the small town of Asnelles to unveil a commemorative memorial for those who died from the 47 Royal Marine Commando, I spoke to Norman Ashford, a 99-year-old D-Day veteran from the Royal Marines. 

He couldn't speak about what he saw on D-Day. Eventually, he told me he was at least pleased that he had come.

Remarkably, at least three women came up once I'd spoken to him to shake his hand and personally thank him because of what the actions of him and his friends had meant to their relatives all those 80 years ago. 

As international leaders took to the stage, the veterans have been treated like the real superstars.

But not in their eyes. Repeatedly they want to bring it back to those who weren't there.

The men I met felt lucky to have gone on to have had really fulfilled and happy lives. 

They made it home. They managed to have their own families. But their friends, who died on these beaches, they were never able to fulfil those dreams.

Kneeling next to them the veterans I spoke to were quiet, more discrete in their message than the world leaders, but with no less conviction. 

As they increasingly fade away they never want us to forget the freedoms that they fought for.

D-Day re-enactment groups have said their work to inspire remembrance of the Normandy landings is more important now many of the men involved are now longer with us.

Living history groups have collected garments, artefacts and weaponry to display for educational purposes, while re-enactment groups go a step further in theatrically recreating the event.

Michael Lycett, organiser of the East Yorkshire Regiment Living Group, said the reenactors had become friends with many of the battalion's veterans over the years.

"We have heard their stories first hand and feel well qualified to pass them on. By attending shows and putting on displays we are able to tell their stories to a wide audience.

"This is more important now these men are not here to do so themselves."

The group displays weapons and explosives, as well as a pot of sand from each of the landing beaches and a lump of concrete from the Merville Gun Battery in Normandy.

Glenn Caton, 61, who runs the Suffolk Military Show portraying historical conflicts from the past 1,000 years, said re-enactment is vital for stoking remembrance.

"Unfortunately events such as the D-Day landings are now becoming confined to the history books, as these significant moments are largely beyond living memory."

He added: "One of the mantras The Suffolk Military Shows has adopted is 'I hear I forget, I see I remember, I do I understand'."

Arthur Oborne, 100, paid a tearful tribute to a friend who saved his life on D-Day earlier this afternoon.

He was shot in the lung three days after arriving on Gold Beach and his friend, Walter Gummerson, was killed the next day alongside the rest of his unit.

"I wish I could tell him that I have never taken his sacrifice for granted and will always remember him and our friends," said Mr Oborne from Portishead, while speaking at the UK national commemorative event in Ver-sur-Mer, Normandy.

"So Gummy, thank you my old friend."

Afterwards he said: "I had no problems talking but it was a bit emotional, I was a bit upset and teary.

"I think everyone did well at the service, I was a bit apprehensive at the start but I wanted to speak."

Royal Marine Jim Grant recalled the sheer noise of the assault, which left him partially deaf.

Attacking Sword Beach via landing craft, he was escorting Canadian forces across to Normandy.

"The noise from the guns, the German guns and the guns from the battleships who had started firing over our heads, was deafening," he said.

Behind the infantry storming the beaches of Normandy were soldiers tasked with keeping guns loaded, vehicles fuelled and troops fed.

Jack Mortimer, 100, was one such driver and dispatch rider, who "worked like hell" to keep his comrades on Sword Beach fighting effectively.

He described driving "frightened to death" up the beach in a jeep with a trailer, with hundreds of rockets flying overhead.

"Driving up that beach, the noise, the smoke, frightened to death, hearing guns going off and seeing thousands of soldiers and ships on either side, it was organised army chaos," said the former 12th Ordnance Beach detachment volunteer.

"Our job was to organise the beach so we could help anyone who got in trouble coming on shore.

"A gun can't fire without ammunition, a tank can't go without petrol and men need food, so we worked like hell to keep the stores equipped."

Mr Mortimer said he will be travelling back to Normandy for the anniversary.

"When I go there, I cry. 

"I don't think I'm a hero, the heroes are the ones who didn't come home, and they should always be remembered. 

"It is very emotional, of course, to remember those who went and didn't come back."

The most ambitious amphibious operation in history required the waterproofing of weapons and other sensitive equipment

Among those ensuring the guns worked when they landed on Gold Beach was gunner Donald Howkins, who spent the month before D-Day in Weybridge learning how to protect them from the sea.

He said he struggles to remember fighting on the beaches, but battles in the nearby village of Tilly-sur-Seulles were not soon going to leave him.

"The destruction of a town and death in such a way I have never discussed it," he said.

"It was also here that my good friend from my hometown was badly wounded and his war was over."

From there, they "zigged and zagged northward through Normandy" and into Belgium.

"During these first months we lost some good men."

Royals, world leaders and veterans gathered on Omaha Beach today to mark the 80th anniversary of D-Day.

As veterans arrived at the international commemoration service, world leaders applauded each of them as they were pushed past them on wheelchairs, some of them smiling proudly and saluting.

Ralph McClure, 99, who was a signalman on board the HMS LCT 952, has been speaking about the moment he lost a friend on D-Day.

The grandfather of actress Vicky McClure said: "There was a flash where he was standing and from then till now I've tried to find out if he made it.

"I feel he might not have done.

"I think a lot about him - we used to have a lot of good times together."

The veteran left Newhaven on D-Day in a tank landing ship and took tanks and supplies to the troops on the ground in Normandy.

He was there for six weeks and remembers seeing Winston Churchill arriving on the beaches in France.
