From as early as primary school, most  Zambians learning institutions will always include a component of letter-writing in the curriculum.  Letter-writing may seem a boring subject, but it plays an important role in the workplace. There are several types of letters one may need to write, during the course of one’s career. These include application letters, resignation letters, appointment letters, thank you letters, offer letters and much more.

Since these types of letters carry different content, they are written in different ways. However, the difference in their content does not mean that they do not share some key components. Layout and appearance, for example, are universal components that are found in every letter one writes.

What is a Cover Letter?

When applying for a job, a cover letter should always accompany your CV. The ideal cover letter describes your qualifications, motivation and shows your interest in the job. It should show your best side! This way, you allow the employer to get a brief and positive idea about you.  

In the cover letter, do not repeat the information already listed in your CV but instead, include details such as your experience, ability, skills honed, knowledge gained and information related to a particular job.

The general rule is that an application letter must have three parts namely first, second and closing paragraphs.

The first paragraph elaborates what job you are applying for and why you are interested in that particular job.

The second paragraph highlights your qualifications for the job and your interest in that particular organisation. In this paragraph, applicants may use one or two accomplishments to illustrate the skills and experience they might bring to the company. It is initially a brief personal motivation. Also try to communicate your interest in the job, and express your enthusiasm for their product line or services as well.

The third or closing paragraph shows your interest in meeting with the employer to discuss the requirements of the job and your qualifications. This should not repeat what you said in the second paragraph because that is likely to overload your application letter.

But for a new or inexperienced job seeker, the information out there can be super confusing. How to write a good application letter is a question and topic that is hotly-debated amongst jobseekers.

You need to write an attention-grabbing application letter for a job application even when applying for a job with unmet requirements . Your application letter must convince a hiring manager or recruiter to read your CV, and should tell the recruiter why you’re applying and why you’re a great fit for the role. Then your CV backs it up with essential information and details.

1. Curriculum Vitae Format.  

Worry less about making it flashy but more about making it easy to read. Nowadays job seekers have been distracted by the new trends of making their CVs colourful and dramatic as you may call it. Nothing wrong with that, just make sure your CV is easy to read and that it has covered all the right information the recruiter might be looking for.

2. Personal Statement.

Perfect your statement, make it clear and precise . State who you are, detailing where you are in your career (this should be in years or industries you worked in). Lastly in brief your career objectives. 

3. Check for typos.

Unlike a CV, which is an overview of your skills, work experience and accomplishments, a covering letter highlights your relevant skills and job experiences and is tailored to the job you are applying for.

A covering letter should include the following:

  • Your most relevant skills and experience
  • How your skill sets will benefit the employer
  • Requesting an interview

Basic Structure

A covering letter follows similar structure to a normal letter.

Place your contact information at the top, include a salutation, date and subject – the name of the position (and reference number if applicable).

First paragraph – the introduction should set out why you are applying for the job, state the position you are applying for and where you saw the job advertised.

Second paragraph – show why you are suitable for the job, why you would like to work for this particular company and what you can offer.

Third paragraph – this is about you – here you can include why the job appeals to you and how your relevant qualifications, job experiences and skills match the specific job requirements.  Your covering letter should not be a copy of your CV, instead it should highlight your most notable achievements and then show how these skills can benefit the employer.

Final paragraph – conclude your covering letter by thanking them for their consideration and mention that your CV is attached.  You can indicate that you would be available for an interview and that you are looking forward to receiving their response.

Closing – use ‘Yours sincerely’ if you have used their name, or ‘Yours faithfully’ if you had addressed them as ‘Sir/Madam’. Finally, include your signature and name.

Tips for writing your covering letter

Employers receive lots of job applications so you need to ensure that your letter makes a lasting impression for the right reasons.

Before applying for a job it is important to find out more about a company.  By building up your knowledge it will help you to tailor your covering letter and show your passion for the job and the sector.  You do not have to spend lots of time researching, and you can easily check out their website, Facebook page and online newspaper articles to find out the following:

  • Mission Statement
  • The company and its culture
  • Recent campaigns
  • The sector and any recent news
  • Skills and experience required
  • Areas in which they work

By doing this you can see if their values match your own and, most importantly, if you would like to work for them?

Tailor to the organisation

Each covering letter should be specifically tailored to the company and job that you are applying for.  Read the job description and pick out which of your skills or experiences to highlight.  You can mirror some of the phrases used in the job advert. Use examples to show why you are their ideal candidate.

Never rely on spellcheck to pick up mistakes.  It is easier to spot mistakes if you print out your covering letter and check it for spelling and grammar errors, or ask a friend to proof read it for you.  Make sure your contact details and their company details are correct.  You can also check it using Grammarly .

Presentation is important, so make sure you have formatted your letter properly.  Use the same font and print size that you used for your CV.  Save your letter in a .pdf file extension so that the file is locked and it is easy for an employer to open and read.

Highlight your USPs

USPs are your ‘unique selling points’.  Be positive about your skills and experiences and clearly outline how they meet those requested in the job advert.  This will demonstrate why you are the ideal candidate.

Keep it short

Your covering letter should fit onto a single A4 page.  Remember that employers do not have the time to read a 3,000 word letter, so keep it simple and concise.

After all, aside from the fact that you can find the famed Victoria Falls on its borders, you’ll also find a lush wilderness and diverse wildlife that will fill you to the brim with awe. Though, if by chance you are worried about ease of entry, don’t fret because getting a Zambia visa is fairly easy — especially now that they offer the possibility of doing it online through an e-Visa application.

…But first, a disclaimer :

NO ONE  can give you a guarantee on your Zambia visa’s approval — not even a lawyer, a consultant, a travel agent, or an embassy employee. Anyone who says otherwise is most likely going to be a scammer. That being said, what I can offer you here is a comprehensive guide with helpful tips to increase your chances of getting that Zambia tourist visa.

How to Apply for a Zambia Visa Online

Step 1: determine if you are eligible for a zambia visa.

As an alternative to visas issued at Zambia embassies, missions, and ports of entry, it is now possible for all foreign nationals to apply online for a Zambia e-Visa through this link .

This kind of Zambia visa will be valid for 3 months (90 days) from the approval date, and you must enter the country on any date within this period — failure to enter within this period renders the e-Visa invalid, and thus you will have to make a new application.

If you’re a national/citizen of any of the countries listed below, then you do NOT need to apply for a Zambia visa / e-Visa.

Naturally, if you do NOT find your country above, then you need to apply for a Zambia visa / e-Visa. Of course, you can opt to apply through your local Zambia embassy, but if you want an easier and faster way, then getting an e-Visa online is far better.

To date, it is possible to apply for single entry, double entry, multiple entry, and transit e-Visa.

NOTES : – If you are visiting less than 24 hours only, Zambia can issue a ‘day trippers’ visa for $20 but this is only issued at a port of entry (Victoria Falls and Kazungula Border Controls). Take note that for this, you must also exit at that same port. This kind of visa also applies to tourists visiting Zambia and who also wish to visit a neighboring country and then re-enter Zambia again within 24 hours. . – If you plan to visit both Zimbabwe and Zambia multiple times, you can apply for a KAZA Univisa ($50). You can check this link if you’re eligible for this. Take note that this visa is valid for up to 30 days as long as you remain within Zambia and Zimbabwe, and you can apply for it online or at certain ports of entry. It also covers those who visit Botswana for day trips through Kazungula Borders.

Step 2: Prepare the required documents and information for your application

Before you lodge your Zambia visa application online, it’s best to prepare the following beforehand…

DOCUMENTS (In English)

  • The photo must be a .JPEG file.
  • Ensure that your passport is valid for at least 6 months from the date that you intend to enter Zambia.
  • Your passport must also have at least 2 consecutive blank pages.
  • A signed document written by you, wherein you basically explain your reason for traveling to Zambia. This should be addressed to the Director General of Immigration. For a sample letter, you can see the one that I wrote here .
  • This is a document that is needed and which you must also upload for your online application.
  • TIP : See here for a list of the ‘ best hotels in Zambia ‘.
  • You can easily get a flight reservation online with OneWayFly for a small fee of only Php 1,000~. I highly recommend them because they are fast, easy, and legitimate; plus, I have been using them for years for all of my visa applications! (Read here for more info).
  • Later on, in case you want to book your flight, my go-to platform is Skyscanner since i t always looks for the best fares and flight combinations possible across all airlines.

INVITED BY SOMEONE IN ZAMBIA…? (Prepare the following too)

  • This should be signed and addressed to the Director General of Immigration by your host.
  • It must also include the full physical address and telephone number of your host.
  • i.e. copy of NRC/ Zambia Immigration Permit.
  • Note that persons on Study, Visiting, Temporary Employment Permit, and Temporal Permits CANNOT invite visitors or act as hosts for a Zambia visa application.

OTHER INFORMATION (Vital info needed when filling up your e-Visa application online)

  • Entry and exit date of your travel to Zambia
  • A debit card or credit card
  • ***Depending on your nationality, type of visa desired, and purpose of visit, there may be additional requirements that will be needed from you (which is not listed above). Rest assured, you will be informed of these requirements after you select your country, type of visa, and travel dates on the online portal for the Zambia e-Visa .

Step 3: Process your Zambia Visa application online

To finally initiate your Zambia visa application, simply go to this website and click the green button that says “ Apply ” under the first white box titled ‘ ✓ 1. Apply’ .

The next pages will be very easy and self-explanatory as it asks for important information regarding you and your intended Zambia trip.

I will NOT go into so much detail on this because every section will be pretty straightforward and easy to understand when you’re filling it up.

NOTE : Enter an active email address that you use because they will be communicating with you through it.

Step 4: Do the visa fee payment

Once you’re done filling in the required details of your e-Visa application, the website will proceed to the payment page. Below are the fees required (in USD currency) as per the type of Zambia tourist visa/e-Visa that you are applying for…

  • Single Entry = $50
  • Double Entry = $80
  • This is issued only by the Headquarters through the e-Visa online facility.
  • For those who are transiting through Zambia using land transport, and it will be valid for a maximum period of seven (7) days.
NOTE: Single, double, and multiple-entry visas are valid for ninety (90) days or 3 months from the date of issuance, with the exception of nationals from the United States of America (since multiple-entry visas issued to them have a validity of three (3) years, on a reciprocal basis).

WHAT IS THE METHOD OF PAYMENT? You can pay the visa fee via debit or credit card on the online portal.

Once this visa fee payment is made, your application will be instantly submitted for processing and you will also receive an email that indicates your reference no . (which you can use later on to track the status of your application). In a separate email, you will also receive a receipt of your visa fee payment and you must print this and present it when you enter Zambia. . !!! IMPORTANT: In this email, they will also be sending a confirmation link which you need to click in order to verify your email address and activate your Zambia visa application. If you do not confirm within 1 hour, your application will be canceled — so make sure that you click it.

Step 5: Wait for the results of your E-Visa application

Within 3 or 5 working days — as dependent on your visa category — you can expect to receive feedback regarding your Zambia visa application via the email that you registered on the e-Visa online portal.

If you want to, you can track the progress of your application by going to this link. Just enter your reference no. and passport no to check the status.

For my case, I got my approval letter in just 3 working days! If your application is successful, your Zambia e-Visa authorization/approval letter will be attached to the email that will be sent to you (you can also download it from this link ).

Simply print out this letter and then present it together with your passport and visa fee payment receipt upon arrival in Zambia.

Immigration officers at ports of entry can verify your e-Visa on their system; but remember that as is the case with all visas, it is their right and discretion to deny you entry even if you have an e-Visa authorization/approval letter.

But rest assured, as long as you have all your documents ready, you should be fine!

IMPORTANT: If you are arriving from or have transited through a yellow fever zone (for more than 12 hours), you must carry a yellow fever vaccination card since it may be required of you at the port of entry. FAQ (Frequently Asked Questions)

You can apply 30 days before your flight. Just remember that the Zambia visa approval letter is valid for 3 months from the approval date — so you must enter Zambia on any date within this period. Failure to enter within this period renders your Zambia e-Visa invalid and thus you will you will have to make a new application.

The Embassy of Zambia did not explicitly state a money requirement, so just make sure that your bank account covers the cost of your flight, accommodation and daily expenses for the trip.

Like I’ve mentioned above, it usually takes 3 or 5 working days. I got mine in just 3 days.

Supporting Document are part of the Application

In order to obtain an Employment permit, it is necessary to possess a corresponding entry Visa, that will assure the possibility to enter in Zambia in order to collect the employment permit.

To apply for an e-Visa , the applicant must provide, together with the corresponding Application, the following Supporting Documents:

  • Covering letter (from the applicant) to the Director-General of Zambia Department of Immigration (ZDI)

To apply for the Employment Permit itself, the applicant must provide, together with the corresponding Application, the following mandatory or optional Supporting Documents:

  • Certified Copy of Valid Passport
  • Certified photocopies of the Certificate of Incorporation
  • Certified photocopies of qualifications (academic, professional)
  • Copy of succession plan (if not applicable - provide a written explanation)
  • Covering letter to the Director-General of Immigration, from the employer, indicating the nature of work the applicant intends to undertake in Zambia
  • Curriculum Vitae of Applicant
  • Letter of offer or contract from the employer
  • Passport size photo
  • Police clearance from the country of residence
  • Previous and Current Certified Photocopies of Passport
  • Certified Certificate of Share Capital and List of Directors (optional)
  • Copy of marriage and birth certificates (optional - where available)

A Perfectly written military cover letter can highlight those skills and qualities that you have that make you ideally suited for a career in the military and get their interest right from the start. Most recruiters spend very little time in looking at your documentation so if you don’t manage to write in a concise and attention grabbing manner then your letter will get overlooked.

A cover letter for a military application does not have to be  complicated and difficult to write if you organize yourself and think strategically about what you need to do. Your cover letter is the first thing that the recruiter is likely to read and you need to make a direct impact right from this point before they even look at your resume.

Not including a covering letter will almost certainly guarantee that you will not be considered as it shows a lack of interest as will using a very generic and non personalized letter. The following are some easy to follow tips for writing that effective covering letter:

Steps in writing the best military letter of introduction

Try to address your letter to an actual person, call to find out the name of the hiring manager.

Your opening paragraph should be brief and to the point and needs to cover the following points:

Who you are and what position you are applying for

Where you found out about the position

Brief statement as to why you are Applying, and why this position

Your middle paragraphs need to highlight why you are qualified for a career in the military. This should not be a restating of what is within your resume but a targeted referral back to the job description. This should be 2 to 4 paragraphs each highlighting points that qualify you.

Your opening paragraph should be your strongest and should clearly show what you have to offer the military.

Use examples: don’t say you have leadership skills, show them. Use an example of when and how you used those skills and what the outcome of that event was.

Be enthusiastic but don’t go over the top

Your closing paragraph should restate your interest in the position and summarize why you are such a great applicant. Say that you will follow up your application and also ensure that your contact information is the same as on your resume.

End your letter with a thank you statement.

Proofread your letter very carefully to ensure that your letter contains no mistakes.

The Department of Immigration wishes to invite applications from suitably qualified applicants to practice as Immigration Consultants. All Applicants must satisfy the following requirements:

  • Covering letter to the Director General of Immigration;

  • Grade 12 full certificate must be verified by the Examination council of Zambia (ECZ) .
  • Should be between 18 and 25 years of Age .
  • Must have a minimum height of 1.6 meters for males and 1.57 meters for females .
  • Must be single without Children
  • Must have no criminal right record
  • Must be willing to undergo military training
  • Must be physically, medically and mentally fit

Professional Qualified Entrants (PQes)

  • Must be Zambian and posses a Green National Registration Card .
  • Must have Atleast six (06) credits at Grade 12 level or its equivalent which should include English, Mathematics, Science and any other science subject.
  • Grade 12 full certificate must be verified by the Examination council of Zambia (ECZ).
  • Must have either a Degree or Diploma in a relevant field from a recognized learning institution.
  • Applicant interested in purchasing and supply fields must possess Diploma Level 6 CIPS
  • Must be a recognized member of a recognized professional body where necessary
  • Must be thirty four (34) years of age and below and not less than 1.60 meters in height for males and 1.57 meters for females .
  • Must have no criminal record
  • Must be willing to Undergo military training
  • Must be physically, medically and mentally fit.
