What are Smart Whiteboards & How Do They Work? | Vibe

Good old-fashioned particleboard whiteboards are in every meeting room at every company that has meeting rooms worldwide. There are millions of whiteboards pinned to walls around the world.  Why is that?  Because whiteboards are the best way to share ideas, think visually, and connect and engage with your audience.

Digital or Electric Whiteboard

These are the first generation of ‘chip-powered’ touch screen whiteboards.   They are used to ‘project’ computer screens onto the board and use touch input to mark up what is seen.  They are popular in education.

Interactive Whiteboard

This is the broadest, modern term for a connected whiteboard.  As Wikipedia defines it, ‘an interactive whiteboard is a large interactive display board in the form factor of a whiteboard. It can either be a standalone touchscreen computer used independently to perform tasks and operations, or a connectable apparatus used as a touchpad to control computers from a projector’.  An interactive whiteboard works like a normal whiteboard, but the added digital component allows you to interact with it on a computer and save content for future reference.

Smart Whiteboards Are for Teamwork

In today’s uncertain work environment, there are several configurations for how meetings get done. They are all enhanced by using a smart whiteboard.

All the participants are in the same room.  Work is on one, in-room smart whiteboard with an infinite canvas .  All the elements on the board can be automatically saved to the cloud (just like Google Docs works) as the meeting progresses.  No more ‘don’t erase’ notes on a whiteboard.

A Brief History

When a whiteboard was used during a hybrid, collaborative meeting a few years ago, the typical solution was to point a camera at the board and watch one person draw with a dry erase marker. Then, a picture was taken of the final drawing and sent to the meeting participants.

You can still point a camera at the primary board and the presenter (just like in a Zoom meeting). However, it enhances the meeting to see a presenter in order to personalize the session more.

Microsoft Surface Hub 2S (50″)

Microsoft is one of the originators of digital whiteboard technology, and their Surface Hub is a popular choice in this space. Surface Hub 2S features a responsive touchscreen display and robust integrations with Microsoft applications. With its collaboration-focused custom version of Windows and video conferencing capabilities, the Surface Hub 2S makes hosting meetings easy.

However, the Surface Hub 2S does have some significant drawbacks. Offices that don’t run predominantly on Microsoft software will find connectivity to be a challenge because the Surface Hub is heavily reliant on the Universal Windows 10 application ecosystem. For example, connecting via Skype requires an Exchange Server or an Office 365 for the Business account along with Skype for Business. This means that calling non-Skype users — e.g. most of your freelancers and remote employees — isn’t easy.

The Surface Hub costs nearly $3,000 more than its closest competitor, coming in at just under $9,000 per unit.

Google launched Jamboard as a direct competitor to the Surface Hub. It’s been successful in mimicking much of that device’s functionality, but with some downsides.

On the plus side, the Jamboard features a vibrant 4K display with touchscreen capabilities for easy whiteboarding. Using Android and iOS apps, users can access whiteboard content on a range of personal devices. Jamboard has also become popular with educators, thanks to its intuitive design.

However, the Jamboard offers a limited suite of integrations with Google-only apps, which could mean adjusting workflows to work with many off-site. Additionally, some reviewers have reported glitches in the software.  

It doesn’t have an infinite canvas.  When you run out of space you need to ‘flip’ a new page, which causes the ideas on the screen to disappear.  

The Jamboard costs just under $5,000 per board. 

The budget answer to the more powerful Jamboard and Surface Hub, the Samsung Flip 2 is a bare-bones smart whiteboard for small- to mid-sized businesses. It comes with an attractive price tag and features real-time whiteboard capabilities on its UHD 4K touch display. The Flip 2 works wirelessly with Samsung mobile devices (as well as other manufacturer’s products using an app, though with more limited functionality).

The Flip’s most visible feature (and the one that gives it its name) is that its 55-inch screen can pivot on its stand (sold separately), going from horizontal to vertical in an instant.

The Flip 2 doesn’t come with a full-featured operating system. While you can share whiteboarding sessions with remote users, there’s no app ecosystem so you can’t share your favorite cloud apps with your remote audience.

A relative newcomer to the space, the Vibe Board was designed from scratch by an independent technology company to fill a gap left behind by Samsung, Microsoft, and Google. Its competitors have similar capabilities, with manufacturer-agnostic app integrations and a more competitive price tag to boot.

Vibe users can whiteboard their ideation/collaboration sessions while sharing the screen via video conference applications (like Zoom, GoToMeeting, and Skype). Vibe also supports screencasting from computers and mobile devices to the board, regardless of the device manufacturer.

Download and Installation

Go to the Vibe App Store and download PowerPoint.

Once downloaded, you'll be able to see PowerPoint on your home screen.

Prepare PowerPoint (PPT) File

Before you open the PowerPoint app , prepare your PPT files by following the steps below. If your presentation is saved on OneDrive , you can jump to the next step.

Open " Files " on the home screen to enter the file management system.

Enter your " USB Drive " to find your PPT file.

Copy and paste your PPT file to the folder " Android files -> Documents "

Start PowerPoint Presentation

Sign into microsoft account.

Let's open the PowerPoint app from the home screen. Since it's your first time opening PowerPoint, you'll be asked to log into your Microsoft account.

After logging in successfully, you'll see the main page for PowerPoint (as seen below). On the left side, you'll see any PPT files from your OneDrive. If your presentation file is stored in OneDrive, you can simply open it and start your presentation.

How to Find Local PPT File

For local PPT files, select "Open Other Presentations" at the corner of your screen. Then, you'll see the below page:

Click "This device" to enter local file storage.

Hit "Go to settings" in the pop up window.

Enable "Allow access to manage all files". Then go back to PowerPoint by clicking the arrow " ← " at top left.

Now, you'll be able to see the local storage folder.

In this case, we put our PPT file under "Document", so we can find it by selecting "This device -> Documents".

Presentation and Annotation

After you open a PPT file, you can find the presentation button at the top right. You'll able to edit your file as well.

What is MoSCoW Method?

When you first hear about the Moscow Method, it probably invokes images of the Kremlin, Red Square, and St. Basil’s Cathedral. However, the truth is that the Moscow Method has nothing to do with Russia.

In fact, it was introduced by software developer Dai Clegg in 1994. In reality, MoSCow represents the acronym MSCW. Vowel sounds have been added to make it sound cool!

Every letter in MoSCoW stands for a different layer of task or project prioritization: Must, Should, Could, and Won’t.

By organizing tasks into the above categories, a team enjoys clarity on what it needs to focus on immediately and in the future.

Below is a detailed analysis of the type of tasks that fit into each category:

M – Must Have

The success of a project depends on these items. They must be included since the project would be pointless without them. In other words, this is a top Moscow requirement.

Below are a few prompting questions to ask in this category:

  • What elements are truly necessary and irreplaceable?
  • If ignored, would the project still serve its intended purpose?
  • Will the project’s delivery be successful without this feature?

S – Should Have

Unlike items in the Must-Have category, these are things that are vital but not absolutely necessary. Items in this category are deemed a secondary priority. In short, they’re key but not crucial to success. 

  • How does this feature stack up against the must-haves?
  • What’s a helpful but optional feature?
  • What would happen to the project if this feature was overlooked?

C – Could Have

Although having these things would be nice, they’re not necessary. These items are regarded as a third-level priority because they’re still not as crucial as the first two categories. They should be excluded if having them will increase costs or make it harder to achieve deadlines. In short, they can be added only when they don’t adversely influence other project components.

  • What additional tool, if any, would be beneficial but not a priority?
  • What feature would you wish to include in the future?
  • What effect would this feature have on the whole project?

W – Will Not Have

These items are unnecessary and can be left out of the project without endangering its success. Since they fall under the lower-priority category, ignoring them won’t jeopardize the project, and they can be added when the project conditions are more favorable.

  • What features will be purposely omitted from this project?
  • What is being postponed or avoided for a future release?
  • Which features go beyond the purview of this release?

How Does the MoSCoW Method Work?

The Moscow Method essentially works by allowing team members to participate in project management discussions. This provides everyone with a comprehensive understanding of the organization’s operations and where their priorities lie.

Before you start conducting the Moscow Method, all team members must agree on which items will be prioritized. It’s also good to agree on how to handle conflicts to avoid delaying progress.

After establishing the framework, it’s time to start identifying the appropriate categories for every project. As we’ve already mentioned, these include Must-have, Should-have, Could-have, and Won’t-have.

For a better understanding of how the Moscow Method works, let’s see some examples.

Imagine a software development department designing a cloud-based workspace for individuals to improve their workflow. They are deciding which features are most critical, which would be nice, and which possibly won’t make it into this release. They agree that cloud storage is a must-have item since, without it, they would entirely miss their target. Once they have defined the must-haves, they then proceed to the should-haves. The should-haves are prioritized based on their importance. Lastly, the remaining tasks are categorized as either could-haves or won’t-haves.

What Are MoSCow Methods Used For?

The good thing with the Moscow Method is that it can be used in an array of situations, both in professional and personal contexts. For example, an individual could apply the method to prioritize their workload, or a team could use it to determine which tasks must be completed first to meet deadlines.

Also, if you’re launching a project and are hesitant about which elements should take precedence, you can assemble your team and employ the Moscow Method as a discussion or brainstorming tool. 

Benefits of Using the MoSCow Method

Now that we have a firm idea of using the Moscow Method, let’s briefly go through some of its benefits.

Provides Direction

One of the key benefits of using a Moscow Method is the direction it offers to the project in question. When organizing features and tasks into several prioritized categories, the project begins to take shape.

Particularly with the addition of the “wont-have” section, the Moscow Method gets rid of the scope creep , a prevalent issue that arises when planning projects.

Scope creep is a word used to describe when new features and minor changes are added to a project, and as a result, the project grows to be more complicated than it was originally intended to be. Having a won’t-have section explicitly defines the futures that won’t be considered, which means there’s no ambiguity on the bigger picture of what to include.

Resource Division

Another benefit of using the Moscow Method is a clear division of resource allocation throughout the project. Having “must-haves” separate from “should-haves” and “could-haves” means your team can easily allocate resources to the items that are a top priority.

The division of resources is important when managing a large project since it clarifies everyone’s roles and deadlines.

Helps Build Consensus within Projects

The Moscow Method is extremely helpful to teams when resolving a mix-up about the project’s scope and priorities. It’s a visual tool that managers, stakeholders, and other team members can all take advantage of to gain a good understanding of the project in question. It’s also a handy tool that aligns team members toward their shared goals.
