How to Convert Keynote Presentations to PowerPoint

how to export keynote presentation

The Apple Keynote presentation app allows you to convert Keynote presentations to Microsoft PowerPoint formats. Here’s how.

Keynote is a popular presentation tool, offered as part of the free, Microsoft Office-competing Apple productivity suite on macOS and iOS devices. If you don’t have an Apple device, however, then you won’t be able to open any Keynote files.

The good news is that it’s possible to convert Keynote presentations to Microsoft PowerPoint format. You can then open these files on a Mac, PC, or mobile device. There are a number of methods for converting these files, which we’ll explore below.

How to Export Keynote to PowerPoint on macOS

If you are a Mac user, you can convert your Keynote presentations to PowerPoint directly from within Keynote itself.

Export Keynote to PowerPoint

You’ll be able to open the converted Keynote presentation file in PowerPoint once this is done.

If your Keynote presentation used any non-system fonts, you may find that these have been replaced in the converted PowerPoint file, as the conversion process is unable to keep them in place.

How to Export Keynote to PowerPoint on iPhone or iPad

You can also use Keynote on an iPhone or iPad to convert your presentation to a suitable PowerPoint format.

Converting Keynote to PowerPoint on iOS

  • You will then be given a range of options for how to share or save your presentation. Select one of these to proceed.

As with Keynote on macOS, some non-system fonts may be replaced during the conversion process.

How to Export Keynote to PowerPoint on Windows

Even if you’re not using a Mac or other Apple device, you can still convert your presentation by using the Keynote app on the iCloud website. That’s because it’s possible to use iCloud on a PC , although you’ll need to sign in using your Apple ID for this to work.

  • To start, head to the iCloud website and sign in to your Apple account.

Press Keynote on iCloud

  • Select the PowerPoint option to select PowerPoint as your desired download format.

Choose the PowerPoint format option

Once selected, iCloud will begin the conversion from Keynote to PowerPoint, downloading the file in the process.

Using a Conversion Site to Convert Keynote to PowerPoint

If you don’t have an Apple account or access to an Apple device, then the methods above won’t be available to you.  You’ll need to use an online conversion site to change your Keynote presentation into a PowerPoint file.

There are a wide number of these types of sites online. Many are free, but some may charge if you want to convert a lot of files or convert them more quickly. One such option is Zamzer, but other sites are available.

Press Add files on Zamzar

  • Once your file is uploaded to the Zamzar site, press the Convert To option and select  pptx.

Press the Convert Now button

  • Once the file has finished converting, press the Download  button to save your file.

Press the Download button

Why Should You Convert Keynote to PPT Files?

There are a number of reasons why you may want to convert a Keynote presentation to PowerPoint. You may be using a PC or not have a copy of the Keynote application. Apple's Keynote app is part of their iWork suite, the equivalent of Microsoft Office for Windows devices. Several iOS users and Mac users use Keynote to create presentations. However, when you step outside of the Apple ecosystem, you'll run into compatibility issues with Keynote files.

Unfortunately, Microsoft PowerPoint doesn't have native support for Keynote files, which means you need to convert them into a compatible file format before accessing your presentations on a Windows computer or Android device. Here, we'll cover the different ways to export your Keynote files as PowerPoint presentations.

How to Convert Keynote Files to PowerPoint Presentations on iPhone & iPad

Let's start with the Keynote app for the iPhone and iPad, since many people who own them use a Windows PC too. First, make sure you have the Keynote app installed on your device and then follow the steps below to convert them to PowerPoint files:

  • Open the Keynote app on your iPhone or iPad and select the presentation you want to convert.
  • Tap on the More button, which is indicated with a three-dot icon.
  • Next, select Export from the pop-up menu.
  • Now, choose PowerPoint for the exported file format.

how to export keynote presentation

Record Keynote presentations on Mac

You can record a presentation with voiceover narration on your Mac to play later in Keynote or export as a video file. This is especially useful when you want to distribute or present a prerecorded presentation virtually, or if you want to record a slideshow for someone to play in your absence.

Record a presentation

Open the presentation, then click to select the first slide in the slide navigator .

Choose Play > Record Slideshow (from the Play menu at the top of your screen). The presenter display appears with recording controls visible at the bottom of your screen.

the Display Configuration button

Move an item on the presenter display: Drag it.

When you drag a slide, its label always moves with it. To position a label independently of the slide, drag only the label. To drag multiple items simultaneously, Command-click or Shift-click to select them, then drag.

Resize an item on the presenter display: Click the item, then drag any selection handle.

The clock, timer, and labels are always resized proportionally from their centers.

To maintain the proportions as you resize a slide, the Presenter Notes field, or the Ready to Advance Indicator, hold down Shift as you drag. To resize from the center, hold down Option as you drag. To proportionally resize from the center, hold down Shift and Option as you drag.

Automatically position the items on the presenter display: Click the Use Auto Layout button. Keynote positions the items to make optimal use of the presenter display.

Change the appearance of presenter notes: With presenter notes showing, move the pointer over the Presenter Notes field, then click a font button in the top-left corner to make the font smaller or larger. Click the Invert Colors button to show white text on a black background or vice versa (other text colors aren’t affected).

the Start Recording toggle button

The timer counts down from 3 before recording begins.

Do any of the following while recording the presentation:

Go to the next slide or build: Press the Right Arrow key.

Go back a slide or reset the builds on the slide: Press the Left Arrow key.

Jump to a different slide: Press any number to make the slide navigator appear, enter the slide number, then press Return.

Open or close a list of keyboard shortcuts: Press the Question Mark (?) key on your keyboard. You can use the shortcuts to control your presentation.

the Mute button

To edit the recording, do one of the following:

the Start Recording Toggle button

Press Esc to exit the presenter display.

The recording is saved with your presentation and can be played in Keynote. To export a recorded presentation as a video or another file format, see Export to PowerPoint or another file format .

To remove a recording from your Keynote presentation, choose Play > Clear Recording, then select Clear in the pop-up menu.

Play a recorded presentation in full screen: Choose Play > In Fullscreen.

Play a recorded presentation in a window: Choose Play > In Window.

To stop playing the slideshow, press Esc.

How To Convert Keynote To PowerPoint

Angie Arriesgado

If you’ve ever wondered how to convert Keynote to PowerPoint, then you’re in the right place. In this article, I’ll give you a step by step guide on how you can convert your .KEY file into something that’s compatible with PowerPoint. Later on, I’ll also be covering some of the major issues you’ll encounter on the converted file, and what you can do to fix these.

Why convert Keynote to PPT if it’s already a great presentation app?

keynote is one of the best presentation software for mac computers

Keynote is a free presentation app that runs exclusively on Mac computers and iOS devices like the iPhone and iPad. Now, a lot of people may love using Keynote for their presentations. But the fact that the app only works on the Apple ecosystem is a bit of a downer. That said, here are some reasons why you may need to convert your Keynote file to PowerPoint:

  • You’ll be collaborating with non-Mac users

For many Apple fans, MacOS is the greatest computer operating system ever. But, of course, plenty of Windows users beg to disagree. And unfortunately, in the battle for computer OS supremacy, Windows still reign supreme.

The sad truth is that there are far more people who can’t access Keynote (because it’s exclusive to Apple) than those who can. Therefore, you (as part of the minority) need to do the adjusting.

What this means for Keynote users is that if you intend to collaborate or work with non-Apple users, you’ll need to convert your Keynote file first. Otherwise, your colleagues or teammates won’t be able to open your .KEY file on their computer. It’s as simple as that.

In critical business presentations where there might be a lot at stake, it’s best to be prepared and just convert the file to PowerPoint. You want to make sure everyone on the team can access your file.

The best way to ensure this is to convert your Keynote to a more universally recognized presentation file format. This is either the .PPT or .PPTX format.

  • You’ll be presenting on a non-Apple device

You’ll likely present in venues where they use a dedicated presentation computer. More often than not, these computers are Windows-based, meaning it can’t open your Keynote. You will therefore need to convert Keynote to PowerPoint first if you want to be able to do your presentation.

Likewise, if you’re the only Keynote user on your team and everyone’s on Windows, then it’s best to just do the conversion process ahead of time. This way, if your team leader decides to have everyone use just one computer during the presentation, then you won’t be caught by surprise.

  • You don’t want to bother with purchasing additional accessories

If you can, in fact, use your Mac laptop for your presentation, then good for you. But you will then need to think about having the right accessories so you can connect your laptop to the projector , TV or monitor. This is because these external displays require either VGA or HDMI. Unfortunately, these ports are absent on the modern MacBook.

The most recent line of MacBook ultraportable laptops only have a couple of USB-C | Thunderbolt ports. So, you’d need to have a bunch of adaptors with you if you want to ensure your laptop can connect to a projector, TV or external monitor.

And, don’t forget, you also need the right cable to connect your adaptor to the projector. It can get quite confusing if you’re not exactly a technical kind of person, so it may be best to ask for help from someone who knows this stuff.

While you can definitely export your Keynote to PowerPoint (among other file formats), it’s not going to be like a native PowerPoint experience. Which is neither app’s fault really – they just happen to be created by two different giants in the tech industry.

The good news is exporting your Keynote to PowerPoint is generally a straightforward experience. Now, it’s not without hiccups. You’d still need to give your converted document a thorough look to make sure everything’s actually where it’s supposed to be. But for the most part, the conversion process itself is quick and easy.

Step-by-step guide to convert Keynote to PowerPoint

I’ll be dividing this section into two – how to convert on both MacOS and iOS. For this tutorial, I downloaded a free corporate Keynote template from Louis Twelve which I found on Behance .

Let’s dive into the first part:

How to convert Keynote to PowerPoint (MacOS)

First, you’ll need to open up your Keynote file. Then go to File > Export To . From the dropdown list, click on PowerPoint .

convert keynote to powerpoint on MacOS

You’ll then see this ‘Export Your Presentation’ dialog box on your screen. Make sure you’re on the PowerPoint tab.

macos keynote export to ppt screen

As you can see, the menu is quite straightforward. You can choose to lock your file with a password or not by ticking the box that says ‘Require password to open.’

By default, Keynote will convert the file to the more recent .PPTX format. But if you’re going to be presenting on an older PowerPoint version, then click on the Advanced Options button. And you’ll see this on your screen:

selecting the PowerPoint format to export your Keynote file to

Select .PPT if you want your file to be compatible with PowerPoint 1997-2003. Otherwise, leave it at .PPTX. Once you’ve made your choice, click on the blue ‘Next’ button.

On the next screen, you’ll be asked to give your file a name and where you want to save your new PowerPoint file. Type the file name in the ‘Save As’ field. Then navigate to the folder where you want to save your file. Hit the blue ‘Export’ button when you’re ready to export.

choose where to save your new PPT file

The conversion process is generally very fast. For small files, it will only take a couple of seconds. For more media-intensive files, it may take longer. To check out your new PowerPoint file, navigate over to where you chose to save it.

Double click the file and you’ll notice that instead of Keynote popping up, it will now be PowerPoint. Of course, this will only work if you have PowerPoint installed on your computer ! If you don’t have PowerPoint on your Mac, then Keynote will open up the newly converted file (yes, Keynote can open PowerPoint files).

How to convert Keynote to PowerPoint (iOS)

This is the process you need to follow if you want to convert your Keynote to PowerPoint on an iPhone or iPad.

First, open up Keynote on your device. Then select the folder where you’ve saved your Keynote file. For instance, it could be on iCloud Drive, Google Drive, or any other cloud service connected to your device. Alternatively, you can also search for Keynote files by choosing from your Favorites list or even from your color-coded Tags.

iOS Keynote convert to PowerPoint

In my case, I save all my Keynote files to iCloud because I find it more convenient especially in terms of accessing the same files on my Mac. So, here’s the file I want to convert to PowerPoint (same file I used in previous example):

iCloud drive folder on iOS device

The next thing we need to do is to tap on the file and open it. Then, tap on the ellipsis icon (…) on the top-right corner to open up more menu settings.

how to access more Keynote iOS settings

You’ll then see the screen below. Tap the Export option.

more menu options on iOS Keynote

In the Export screen, you’ll see there are a number of options for you to choose from: PDF, PowerPoint, Movie, Animated GIF, Images, Keynote Theme. Since this tutorial is all about converting Keynote to PowerPoint, make sure you tap on PowerPoint.

export screen on iOS Keynote

Note that unlike the conversion process on MacOS where you can choose between .PPTX and .PPT, on iOS devices you’ve got no say in the matter. All converted presentations files will be in .PPTX format. So, keep this in mind if you know you’re going to be using an older computer.

That said, once you tap on PowerPoint, you’ll briefly see this window on your screen. It’s basically letting you know that Keynote is converting or creating your new PowerPoint presentation for you:

conversion in progress

Now, during the export process, Keynote may find some issues. It will give you a list of things you may want to look over. So you can decide if you’re going to proceed with the export process or not. Here are some issues encountered for the Keynote template I used:

export or conversion issues encountered

As you can see, Keynote gave me a list of 5 fonts which may or may not cause my exported PowerPoint file to look different from the original Keynote file. Basically, it’s telling me that Calibri and Open Sans are missing and text on the exported file may look different.

If you think you can live with these issues and continue the export process, tap on Continue .

Once the file is exported, iOS will then ask you what you want to do with your new PowerPoint file. You can share the file via AirDrop or send it via SMS or social media. Alternatively, you can save it to your iPhone (or iPad) by tapping on ‘Save to Files.’

share your new PPT file

The conversion process from Keynote to PowerPoint is easy and straightforward on both MacOS and iOS. However, you may find that your new PowerPoint file isn’t as picture-perfect as it seems.

Two common issues that can arise from the conversion process

In this section, I’ll list down the most common issues and problems that arise when converting Keynote to PowerPoint. Even the most basic Keynote file (that is, there’s not a ton of fancy texts and animations on it) will likely run into some issues.

  • The missing fonts problem

This is probably the most common problem. If you checked out the step-by-step iOS Keynote to PPT conversion process I shared above, then you’ll notice that I got a message about fonts. Specifically, it said Calibri and Open Sans are missing and may cause the exported file to look different from the original file.

Aside from looking different, the new font may also cause the text to be displaced . This is because the replacement font may be of a different size. That is, it may be a few pixels wider, narrower, taller, or shorter. This will, of course, result to its neighboring elements being moved around. So, you’ll find some text overlapping on other elements or being totally moved to the side.

Also, the replacement font may not convey the same emotion that the original font was meant to do. For instance, some fonts are perfect for business presentations because they look more formal and elegant. Others are perceived to be ‘fun’ and as such, are great for team-building types of presentations.

If you want your audience to be excited about something, you’d use a font that can help build up their excitement as well. But all these will be for nothing if the replacement font on your newly-converted PPT file fails to bring out the same emotion in the audience.

So, the best course of action for this problem is to look for a similar font that will not only look the same. But will also evoke the same emotion in your audience. Easier said than done, I know, when there are so many fonts to choose from.

In the next section, I will be covering some tips on how to make sure there are no font issues in the converted file.

  • Animations and transitions are not converting correctly

There are two types of animations in Keynote – object animation and slide transition.

Object animation basically refers to the animation effects applied to a specific object. If there are 5 different elements on a slide, you can add animation effects to each one.

Slide transition , on the other hand, refers to the animation when moving or transitioning from one slide to the next.

That said, there are 3 different types of object animations on both Keynote and PowerPoint:

On Keynote, these are (1) build in, (2) action, and (3) build out.

On PowerPoint, these are equivalent to (1) entrance, (2) emphasis, and (3) exit effects.

They work basically the same way. The only difference is that not all animations on Keynote are present on PowerPoint, and vice versa.

So, it’s really not surprising at all that your Keynote animations and transitions aren’t going to convert perfectly into PowerPoint. The best way to go about avoiding this issue is to stick to animations that are present on both apps. For instance, you may want to use either the appear or fade animations. These are available on both apps and are also relatively simple animations.

While fancy animations are available on either app, I highly recommend keeping things simple. You don’t want to give your audience a headache when viewing your presentation!

Now, I’m sure there are other issues that can arise especially when dealing with complex presentations with lots of elements on it. Don’t take your slides at face value – always go through each slide and make sure it’s what you’re expecting.

Solutions to preserve your Keynote slides’ look

I’ve got 3 solutions here that you can follow if you care about how your Keynote slides’ look and want to preserve it for your presentation.

  • Convert your Keynote to PDF

While this may not be the ideal solution, you should give this method a try if all you care about is making sure your slides’ appearance remain intact. Each slide will have its own page in the PDF document.

When converting to PDF, all your fonts, images and graphics will be preserved. However, if you have video and/or audio added to your slides, you’re going to lose them. You will also lose all your animations and transitions.

Another good thing about PDF files is that they are highly portable. That is, you can save your PDF presentation on a flash drive, and you can open it on literally any computer!

To convert your Keynote into a PDF file, go to File > Export To > PDF . These are the export options for you to consider:

how to export keynote to PDF format

You can choose to include your presenter notes, print each stage of builds, include skipped files, select the image quality, and add a password to the PDF.

  • Convert to video or export Keynote as movie file

There’s a great advantage to exporting your Keynote as a movie file. You not only get to keep the static elements on your slides, you also get to retain all animations and transitions! This is actually the best method you can use if you want to make sure your fancy Keynote animations remain intact!

The downside to converting your slides to video is that you don’t get to control when the slides move on to the next slide. Technically, you can, but you have to do it all in advance when you record your slideshow. You have to time everything perfectly if you want your video and your speech to sync perfectly. In your actual presentation, you can either leave the slides to just play automatically or you can pause the movie from time to time.

To export your Keynote to movie format, go to File > Export To > Movie . Here’s a screenshot of the export screen:

screen to export keynote to movie format

For playback, you can choose between self-playing and slideshow recording. You can also choose which slides you want to convert into a movie, plus you can also control the timings. For resolution, the default is 720p. If you want higher or even custom resolution, click on the Resolution dropdown. You can also select the compression type you want to use for your Keynote movie.

  • Convert to images then copy to a new Keynote file

If you’re not looking to convert your slides into PDF or movie format, you should try this third method. This technique works great for preserving the appearance of your slides and you can even add simple slide transitions, but that’s about it. The good thing is all your hard work in Keynote isn’t going to go to waste (except if you add videos to your slides but I’ll give a workaround for that later).

So, here’s how this process works. Once you’ve finished your Keynote presentation, click on File > Export To > Images . You’ll see this Export menu box on your screen:

screen to export keynote to image format

Choose the slides you want to convert to images. Then select the image format you want to use. You can also opt to create an image for each stage of builds, but for this method, you can just leave this box unticked.

Once the slides have been converted to images, you can create a new Keynote file and you can then insert all your new images to the new Keynote. One image goes into one slide.

As you can probably tell, it’s going to look like a duplicate of the original Keynote file. The only difference is the second Keynote is comprised of ‘flattened’ elements. That is, the original elements have been converted to an image. This method will preserve the look of your slides when you do the export process again – this time it will be from Keynote to PowerPoint.

What about if you’ve added a video to the original Keynote? Well, since this isn’t going to get converted to image file, you can just insert the video in the converted PowerPoint file!

Of course, for this to work, you need to have access to PowerPoint. If you don’t have Microsoft Office installed on your computer, you can sign up for a free Office account. Then, you’d be able to access PowerPoint Online for free!

While you can, in fact, insert videos to PowerPoint Online, you’re limited to using only online videos. So, if you absolutely need to insert that video, consider uploading that to YouTube or Vimeo first.

By the way, if you need ideas on how to repurpose your Keynote (or PowerPoint) presentation slides, you should give this article a read!

Final Words

So now you know how to convert Keynote to PowerPoint. It used to be such a laborious task, but fortunately, that’s all in the past now. Apple is constantly updating Keynote to make sure its users get the best of both worlds – the ability to use Keynote and better compatibility with PowerPoint. While it’s still not a perfect conversion process, the converted file is definitely more usable today than it ever has been in the history of Keynote.

  • When you convert Keynote files to PowerPoint, you can allow collaborators without Keynote to open presentations on non-Apple computers.
  • Mac users can convert files from Apple's presentation app Keynote to Microsoft Powerpoint through the exporting feature.
  • Visit Business Insider's Tech Reference library for more stories.

Mac users have access to several applications with similar functions to corresponding Microsoft programs. These include Pages (a word processor similar to Microsoft Word), Numbers (a spreadsheet application similar to Microsoft Excel), and Keynote (a presentation application similar to PowerPoint).

When sharing documents with non-Apple users and in general, converting your files to the more universal Microsoft applications helps to ensure that the recipient can open the file you send.

Converting your Keynote files to the corresponding Microsoft PowerPoint format takes just a few clicks. It saves Windows users the trouble of using a third-party app to open their Apple file .

After you've converted the Keynote file to a PowerPoint file, you can check that your presentation saved correctly when you attach it to an email. The file type at the end of your upload name should read ".pptx." It will read ".key" if it's still a Keynote file.

Cover for How to Convert Keynote to PowerPoint guide

Although Microsoft PowerPoint is the leading software for presentation design, alternatives like Keynote remain popular among Mac users due to its integration into the Apple ecosystem. This implies a compatibility problem whenever we want to share the presentations in an editable format with non-Mac users. Windows apps cannot natively open Keynote files; therefore, a conversion process is required to work with PowerPoint or Google Slides.

This article will teach you an easy-to-apply method to convert Keynote to PowerPoint.

Why Should You Convert from Keynote to PowerPoint?

As previously mentioned, Keynote files cannot be opened or edited on Windows computers, but let’s see the core reasons why you need full compatibility with Windows PCs.

  • You may need to present the file on another laptop/computer than your Mac.
  • Your presentation project may require collaborative work, which implies non-Mac users should be able to open it.
  • Insert non-native features into your presentation, like data synced from Excel and PowerBI.
  • Add animations and transitions to your presentation in PowerPoint.

How to Convert Keynote into PowerPoint

Start by opening the file you wish to convert from Keynote to PowerPoint.

Opening a Keynote presentation

Go to File > Export To > PowerPoint .

Export To in Keynote

A new dialogue window will open with the export presentation options (which also allows us to switch to other formats if required).

Convert Keynote to PPTX

Additional settings to this process can be configured from that window, such as password-protecting your PowerPoint file and selecting the output format (PPT or PPTX). Click on Next to choose the saving destination of your file.

Saving the Exported Keynote to PowerPoint

And that’s all. This is how an exported Keynote to PPT would look on PowerPoint for Mac.

Are Online Keynote to PPT Converters Worth the Try?

A converter Keynote to PowerPoint is not recommended from our point of view as you may lose details in your process or submit sensitive information (like financial data) to unknown parties. Aim to stick to the native options included in Keynote to complete this process.

Will the Presentation File Work with PowerPoint Online?

Yes, all converted keynote to PPT files can be opened inside PowerPoint Online after uploading them, or if we’re working with cloud syncing for our files.

Can I Access Keynote From Windows?

Unfortunately, no, and there’s no emulation option available for it as it’s a Mac-only software. Software like VMWare or native Windows emulation options may crash when aiming to boot a Mac OS or perform heavy tasks. The reverse process, opening Windows from Mac, is natively supported via Mac’s Boot Camp.

Can I Export Keynote to PowerPoint from an iPhone or iPad?

Yes, and the process is quite similar. Open your file on your mobile device. Locate the More button (the three dots) and tap Export. Select the PowerPoint option and configure any additional details if required.

Can I Export My Keynote Presentation to PowerPoint from an Android Phone or Tablet?

It is possible, but it requires one to sign in to iCloud and open the cloud version of Keynote. From there, you can export to PowerPoint.

Can I Use PowerPoint Templates in Keynote?

Yes. Most PowerPoint templates are fully compatible with Keynote, although some effects like animations, transitions, or complex shadows are unavailable. Also, you may be unable to edit PowerPoint shapes as easily as with PowerPoint. Remember, if you save your file on Keynote, you must convert it back to PPT/PPTX to make the file viewable/editable to non-Mac users.

How to extract files or objects from a Keynote presentation

By Sudz Kar 15 comments Last updated December 29, 2022

If you’re in school or give a lot of presentations for your job, then you’ve probably experienced a time when someone sent you a Keynote file. But then you need or want to get a picture, graph, movie, or another type of content out of that file to save it as a separate file .  But how???

Keynote presentations usually contain a lot of media files and objects such as videos, photos, images, sounds or documents – pdfs- or other embedded objects. And sometimes it’s easy to get things out by showing packaged content–it all depends on your macOS or Mac OS X version. However, no matter your operating system, you can easily extract these files or objects from a Keynote presentation by converting the presentation to a “zipped” file folder.

These tips work for Apple’s entire iWork Suite, not just Keynote. That includes Pages and Numbers.

Note: You can use this method to extract files from PowerPoint files too.

Look For Packaged Content

1-locate the keynote presentation (or powerpoint), 2-make a copy of the presentation file, 3-now you will have the duplicate, 4-now click use .zip if you see the following message, 5-to unzip this file, double-click it, 6-included are videos, sound files or documents are found in the data folder, want another way.

Before you go the manual route, try looking for it within the Keynote file. Right click on a Keynote document and look for the option called Show Package Contents. That opens up a folder with all the documents in that Keynote file. If you don’t see an option for Show Package Contents, follow need the manual steps below.

How to extract files or objects from a Keynote presentation

Old Versions Of Keynote

In older versions of Keynote, the Keynote file is not a single file but rather a directory. It contains many files and directories and the data content is encrypted. When you right click the old version of pages document, it shows Show Package Contents. Accessing this file content gives you all your Keynote file directory and files. Most files like images, graphs, and other content is stored in the Data folder.

New Version Of Pages Document File Format

In the newer version of Keynote, the Keynote file is a single file AND NOT  a directory. So when you right click it, you don’t see the Show Package Contents menu option. So if you’re running a newer version of Keynote, follow the directions below to access your Keynote file content.

Here is how to extract files or objects from a Keynote presentation

keynote presentation

Simply right click on the file and select duplicate.

duplicate the file

In our example here, it is the appletoolbox copy file. Now select this new file by clicking on it and press enter to change the file extension. Change the file extension to .zip by typing .zip after the file name . So in our example, the file is now called  appletoolbox copy.zip , as shown below:

appletoolbox zip file

This creates a new folder, which includes all the content files.

zipped file keynote

Now copy any files and objects to any other locations.  This method is identical to the macOS Show Package Contents.

zipped keynote

Starting with Keynote 6.5.3, all iWork applications, including Keynote, have a method to convert a single-file document into a package file format. So if the two tips above didn’t work for you, give this one a try.

Go to Keynote’s File menu and choose Advanced > Change File Type > Select Package Instead of Single File. Then Save.

Hi Isabelle,

Try the following: Go to Keynote’s File menu and choose Advanced > Change File Type > Select Package Instead of Single File. Then Save.

Right click on that new Keynote document and look for the option called Show Package Contents. That opens up a folder with all the documents in that Keynote file. Hopefully, you find what you need extracted from the presentation there.

Troubleshooting, how to save a keynote .key as powerpoint .pptx presentations on mac.

Keynote file as PowerPoint file on Mac

Keynote presentations are saved as .key files by default, but because Keynote runs only on Apple system software and iCloud you can’t always open a .key presentation on PowerPoint. The simplest solution to this is to save a Keynote .key presentation as a PowerPoint .pptx presentation, which can then be opened in Microsoft Office, Google Slides Docs, Keynote, OpenOffice, or just about any other presentation app regardless of the platform it runs on, whether it’s Windows, Linux, another Mac, or even iPad.

What we’re going to do is save the Keynote presentation file as a Powerpoint presentation file using the apps Export ability. Essentially this converts the Keynote .key file to a Powerpoint .pptx file. You can do this with a new presentation or an existing Keynote presentation file, it does not matter. For best results you’ll want to update Keynote to the latest version available to your Mac.

Note that if the Keynote file is password protected you would want to unlock the file before saving as a Powerpoint file.

How to Export Keynote Files (.key) as PowerPoint (.pptx) on Mac

  • Create a new presentation or open an existing Keynote presentation on the Mac with Keynote app

Saving a keynote file as Powerpoint on Mac

  • Go to the “File” menu and choose “Export To” and choose “PowerPoint”

Export Keynote as Powerpoint to convert the file

  • At the Export screen, be sure you’re at the “PowerPoint” tab and then choose under Advanced options the Format: “.pptx” and click the Next button

Save a Keynote file as Powerpoint on Mac

  • Select the file name and destination where to save the Keynote file as a Powerpoint presentation

Saving the Keynote file as Powerpoint

The .pptx presentation file format is generally more compatible with a broader set of apps and operating systems compared to the native Keynote .key file format, so this can be helpful if you’re working across platforms or there is some compatibility issue with a Keynote presentation. The PowerPoint file format is also generally recognized by most other presentation apps, including Google Slides, Microsoft Office, other versions of Keynote on the Mac, OpenOffice, and even Preview in Mac OS. Similarly, you may find it useful to save Pages files as Word .docx format too , especially if you’re in an environment where you’re on a Mac but other users are on various Windows PC with Office suite.

The saved .pptx file will be fully compatible with Microsoft Office and Microsoft Powerpoint, and it can then be opened in those apps on a Windows PC or Mac.

You can also choose .ppt format if you are trying to make the Keynote .key file compatible with a much older version of Microsoft Office and Powerpoint.

Remember, the preview versions of Microsoft Office 2016 suite for Mac is a free download , and the Microsoft Office apps for iOS are free to download too , so if you’re on the fence about getting those apps and working with the native Office file formats directly rather than iWork suite you can try them out on your Apple devices first without any particular commitment.

I have tried and searched! I need to convert .key to .pptx but have the severe quality loss on images (it’s very unprofessional)

whats the best conversion way without losing image resolution???

How do you save “pptx” or “docx” or “xlsx” files on iPhone or Mac? Simply use powerpoint, excel and word app (on iPhone free, on Mac… not huge amount). In this case, you can enjoy the ms world benefits.

While need to know, pages, keynote and numbers specifications aren’t compatible ms apps exactly, thus some features in keynote, pages, numbers will not appear in ms apps correctly.

…but… as you want :)

and viceversa: some features from msoffice will be lost or not appear correctly when converted for opening in pages, numbers or keynote.

How do I find out what critical files on my ox Mac desk top are missing, and why do I keep getting errors when I run my word program. If I could get some answers I’d Approbate it.

is your word correctly installed, or does it hacked?

my suggestion, use “appcleaner” app to completely remove ms applications (all components of it), then install them again. be sure, all components of ms apps are checked while using appcleaner app. empty the trash, restart your mac, then start to install again ms apps.

i think so, it will help you.

In Step 4 of the example, the exported file’s suffix is .key, for some reason. When PowerPoint files are exported, the resulting file name suffix is .pptx .

It’s also possible to save a keynote as powerpoint .pptx on iPad/iPhone. Just open the keynote for iOS app and tap on the sharing button (a square with an arrow pointing upwards). Then tap on ‘send a copy’, choose the keynote to be converted, and tap on ‘powerpoint’ when prompted to select a format. A powerpoint .pptx file will then be created ready to be shared with anybody or exported to any compatible app. This procedure can also be used in pages and numbers for iOS to convert to MS Word .docx and MS Excel .xlsx respectively.

The alternate method to convert to powerpoint from iOS is to open the keynote app (or pages or numbers for word and excel files), select the desired document and then, with the document open, tap on the ellipsis (three dots, …) on the top right and then on ‘send a copy’.

People are passionate about their favorite apps. That includes the tough choice between top presentation apps Apple Keynote and Microsoft PowerPoint. To bridge the gap, it helps to learn how to convert PowerPoint to Keynote.

Open PPTX on Mac

I find myself switching back and forth between the two apps, but I can see why users have strong preferences. Keynote's interface is intuitive. While PowerPoint makes working with Excel a breeze, a key feature for many power users.

You might need to convert PowerPoint to Keynote presentations to include everyone. It's easier than you think to convert presentation files, so you never have anyone left out of opening and working with a presentation. Let's learn how to do that together.

How to Convert from PowerPoint to Keynote

If you're wondering whether Keynote can open in PowerPoint, this section should answer that question.

In this example, we're going to convert a PowerPoint presentation and open it up in Apple's Keynote presentation app.

Throughout this tutorial, you're going to see me use a PowerPoint presentation that's pre-built from the Envato Elements library. Elements is an all-you-can-download service for creatives that includes:

  • presentation template
  • stock photos
  • and much more

Explore Presentation Templates

Elements convert to PPT

When you don't have the time to design something from scratch, it's a lifesaver to grab a template from Elements instead. Start with a presentation template, drop in your details, and presto! You've created a presentation much more quickly than building one from scratch. Learn more about using Keynote presentation templates .

Paradox convert PowerPoint to Keynote

In this tutorial, I use the Paradox PowerPoint template   from Envato Elements. Paradox is a beautiful presentation template. But unfortunately, it's only available in a PowerPoint version. Since we can convert PowerPoint to Keynote presentations, we'll learn how to make it cross-compatible in this tutorial.

1. Open a PowerPoint Presentation in Keynote

It turns out that opening a presentation in Keynote is easier than you might think. It's clear that Apple has acknowledged their role as the second player in the presentation app market. They know that it'll take some time to catch up to PowerPoint's market share.

So, opening up a PowerPoint presentation in Keynote is pretty straightforward. On your Mac, open PowerPoint and browse to the PPTX or PPT file. Then, click on Open  to launch into Keynote.

How to open PPTX file on Mac

Now, you'll see the presentation in Keynote. You might see some warnings about items that didn't translate well to Keynote, but don't worry about that for now.

I'm always impressed by how well this conversion process typically works. For example, embedded audio, images, and video worked perfectly in my testing. Unless those files are unusual or specific file formats, the conversion typically takes care of perhaps 90% of the work. Once the conversion is complete, save an updated version of the file as a .keynote file.

Keynote will automatically take care of the majority of the work in the conversion step. But that might not be the only step you need to take to prepare your presentation for use in Keynote. Keep reading to adjust everything else.

2. Review the Warnings

You might have noticed when you open a PowerPoint presentation in Keynote that there are some warnings about how the " PowerPoint presentation may look different ." Keynote flags issues that might have occurred during the conversion.

Charts how to open PPTX file on Mac

Let's look at how to correct and change the presentation so that it converts as smoothly as possible between the two apps.

3. Replace Fonts

This issue isn't specific to converting PowerPoint presentations to Keynote. But you're likely to see this issue when converting. You need to replace fonts if you don't have them installed on your Mac.

When you download presentation templates from Elements, it's likely that the author uses free fonts available online. So, check the documentation and download those available fonts if that's the case.

To replace a font, click on the  Replace Fonts...  button on this pop-up window. You'll get the chance to select replacements from the drop-down menu. If you know a similar typeface, you can select it from this drop-down to replace all instances of it in your Keynote presentation. You can see an example in the screenshot below.

Keynote convert to PPT

If you don't have access to the fonts that the PowerPoint author used, you might need to make substitutions. On the Replace Fonts menu, choose alternate fonts from the drop-down options.

4. Check Charts and Graphs

PowerPoint has some advanced charting features thanks to its tight integration with apps like Excel. Stacked bar charts, pie charts, and so much more are easy to create in PowerPoint. Keynote makes it easy to chart too, but the formats don't translate one for one.

The problem is that when you try to bring these charts over to Keynote, they don't convert smoothly. This aspect is just one area where the conversion sometimes misses the mark.

Charts how to open PPTX file on Mac

Simply put, you might need to re-create new charts in Keynote. This is one type of content that doesn't convert easily. Both presentation platforms have implemented different ways of doing charting. It's only natural that it doesn't always work perfectly.

5. General Review and Adjust

As I reviewed my converted PowerPoint presentation, it was clear that several objects and text boxes needed to be repositioned slightly.

When you convert files from one format to another, it's critical that they stay " true to form ." That means that the presentation appears the way you expect it. There might be other issues that aren't flagged in the pop-up warning when you first convert.

Review every slide before you present it to an audience. You want to avoid anything looking off or not working when you share a presentation with an audience.

Another Option: Use PowerPoint Online

Throughout this tutorial, we've been converting the presentation from PowerPoint to Keynote. The basic idea here is that doing this accommodates users who don't have access to Microsoft PowerPoint. Converting the presentation is one option.

But this isn't the only way to include others in working with the presentation. If you don't  want to convert an existing presentation, you can let others into edit by using free alternatives.

That's where PowerPoint Online comes into play. Available for free with a Microsoft account, you can jump over to Office365.com to get started. 3 Best Ways to Convert PowerPoint Presentations to Keynote

There are numerous reasons you would want to convert a PowerPoint presentation to the Keynote format . Perhaps you intend to send a PPTX or PPT file to a recipient with a Mac. Or maybe you received or downloaded a presentation as a PowerPoint file to your Mac.

Convert Powerpoint Presentation to Keynote Featured Alt

Thankfully, converting a PowerPoint presentation from the PPTX or PPT format to the KEY format is quite easy. Perhaps even easier than you think. So without any further ado, let’s go through three easy ways to help you do that.

1. Use ZamZar

On Windows, the most convenient way to convert a PowerPoint presentation to the Keynote format is to use an online file conversion service. ZamZar was our pick for a couple of reasons; the service has been around for almost 15 years, and there were no other reputable file converters that could perform PPTX to KEY conversions.

Step 1: Open ZamZar in your preferred web browser. Then, click the Add Files button and upload the PPTX or PPT file that you want to convert. The file should not exceed 50MB in file size.

Visit ZamZar

Note: ZamZar lets you convert up to two PPTX files within a 24 hour time period. If you want to convert more than that, you must subscribe to a paid plan.

Step 2: Set the output format to KEY, and then click Convert.

Step 3: Wait for a few seconds while ZamZar converts the file. Then, click Download to save the converted presentation file locally.

However, you must keep a couple of issues in mind while using a file conversion service such as ZamZar. Firstly, you must be aware of privacy implications. If the presentation contains sensitive information, it’s best to avoid this method since there are no guarantees of where your data might end up in.

Secondly, there are formatting issues to consider. Converted KEY files may not carry the same formatting (fonts, for example) as their original PPTX/PPT files. The problem is further compounded by the fact that PowerPoint (which you probably used to generate the presentation) doesn’t support KEY files, so there’s no way to check either.

The next method is not only private and secure, but it also allows you to convert as many files as you want.

2. Use iCloud Keynote

The online version of iCloud Keynote also features the ability to convert PPTX files to the KEY format. If you don’t have access to an iCloud account, you can create one for free here . You do not need to have an iPhone, an iPad, or a Mac for that, although you only get one gigabyte of free storage instead of 5GB.

Step 1: After signing into iCloud.com , select Keynote from the iCloud Launchpad.

Step 2: Upload the PPTX or PPT file from your computer. You can also upload multiple files simultaneously.

Step 3: Double-click the uploaded PPTX or PPT file. iCloud Keynote will process the file and open it.

Step 4: Check the file for formatting issues and other problems (such as missing fonts) and rectify them.

Tip: If you are unfamiliar with the options and settings in Keynote, do check our Keynote Basics guide .

After making the necessary changes, click the Keynote Tools icon, and then click Download a Copy.

Step 5: Pick Keynote as the download format.

That should prompt iCloud Keynote to download a converted copy of the PowerPoint presentation to your computer. Repeat the procedure for any other presentations that you want to convert into the Keynote format.

3. Convert Using Keynote

If you use Keynote on your Mac , iPhone, or iPad, you can open any PPTX or PPT file quite easily since the application features native support for both formats. Converting them to the KEY format is then as simple as saving them.

Keynote—Mac

Step 1: Double-click the PPTX or PPT file. Keynote will then process the file briefly and open it automatically.

Step 2: Keynote will notify you of any formatting issues in the presentation. Check the document and fix any errors.

Step 3: Open the File menu, and then click Save or Save As (press Option key to unhide) to save the file in the KEY format.

Convert Powerpoint Presentation to Keynote 10

Warning: If you click Save, you will overwrite the original PPTX or PPT file.

Keynote—iPhone & iPad

Step 1: Open the Keynote app, navigate to the location of the PPTX or PPT file, and then tap to open it.

Convert Powerpoint Presentation to Keynote 11

Step 2: Review the presentation for any formatting issues. Then, tap the option labeled Presentations to the upper-right corner of the Keynote app.

Convert Powerpoint Presentation to Keynote 12

Step 3: You should then see a new KEY file within the same location as the original PPTX file.

Convert Powerpoint Presentation to Keynote 13

Alternatively, sharing a PPTX file from another app to Keynote will automatically convert it to the KEY format. You can then find the converted file within Files > iCloud Drive > Keynote.

So, that’s how you should go about converting PowerPoint files to the Keynote format. Since formatting issues can easily play a factor in content-rich presentations , do make sure to review converted files afterward.

If someone sends you a Microsoft PowerPoint presentation, but you’d rather use Apple’s presentation software, Keynote, you're in luck! Apple's done all the hard work for you. Here's how to convert a PowerPoint presentation to Keynote.

Apple created Keynote knowing that nearly everyone using it would be coming from PowerPoint. This is no surprise, as PowerPoint has 16 years on Keynote and basically owned the presentation software market before Keynote came along.

Related: How to Convert Google Slides to PowerPoint

Knowing this, Apple made it incredibly simple to move from PowerPoint to Keynote by allowing you to open PPTX files directly in Keynote.

To do so, just open Keynote on your Mac, and then click "File" in the taskbar.

File tab

In the drop-down menu, click "Open."

Open button in Keynote menu

In Finder, navigate to the PowerPoint presentation you want to open, select it, and then click "Open."

Select and open powerpoint file

The PowerPoint file will open in Keynote, with some caveats. Unless you’re unusually lucky, you’ll likely see a warning appear. In our example, the source files for some fonts Keynote doesn’t support are missing. We click "Show" to get more information.

Show issues in Keynote

A dialog box appears that will allow you to resolve any issue(s).

Box showing unresolved issues

In our example, the fonts that have a Warning icon next to them need to be replaced. We click the arrows to the right of each font to select a replacement.

Open menu and choose font replacement

When you’re satisfied with your selections, click "Replace Fonts."

Replace Fonts button

Note that this could change some formatting within the presentation, so it’s best to give it a quick once-over after you replace any fonts.

To convert a PPTX file to a KEY file, save it, click "File" in the taskbar, and then click "Save."

Save button in menu

Give your presentation a name, choose where you want to save it, and then click "Save."

Name the presentation and save it

Your PPTX file is now a KEY file.

Faster way to converting from Pages to Keynote

I create my sermons in Pages and use presentation mode when preaching. Years ago, I used Keynote sometimes, but it was very very time consuming to create so many slides for my text, main points, sub-points, plus put the content in the notes of each slide for a 30 minute message. Is there a quicker way to convert from Pages to Keynote without having to do all this manually?

Keynote is not among the export document types in Pages. Two applications, different purposes. No Automation.

If you have Pages v13.1 for iPadOS, click on the document name and then the Export menu item. This version of Pages adds an extra export item (Images) where you can select the page or page range and export different image types. These will likely be 72 dpi though.

You can still copy/paste between Pages and Keynote on the iPad.
