Understanding the Role of a European Union Official

Before diving into the specifics of crafting your cover letter, it is essential to have a clear understanding of the skills and competencies required for the role of a European Union official. These officials are responsible for various tasks, such as policy development, legislative drafting, project management, negotiation, and stakeholder engagement. It is crucial to highlight your expertise in these areas to demonstrate your suitability for the position.

Structuring Your Cover Letter

An effective cover letter for a European Union official position should have a clear and concise structure. Start with a professional salutation, addressing the hiring manager or relevant authority. Introduce yourself and state the purpose of your letter. You can mention the specific role you are applying for and explain why you are interested in the position.

In the body of your cover letter, emphasize your skills and competencies by providing concrete examples from your past experiences. Use action verbs and quantify your accomplishments wherever possible. This will not only make your letter more engaging but also demonstrate your ability to deliver tangible results.

Mention both the "must-have" and "good-to-have" competencies for the role of a European Union official. Some primary skills include expertise in European Union legislation, policy analysis, multilingual communication, and project management. Additionally, secondary skills such as leadership, adaptability, teamwork, and cultural awareness can help you stand out from other applicants.

Showcasing Your Skills and Competencies

One effective technique to showcase your skills and competencies is by aligning them with the specific requirements of the European Union official role. For instance, if the job description emphasizes the need for legislative drafting skills, highlight your experience in drafting legislation while working in a similar capacity. This demonstrates your suitability for the role and your ability to hit the ground running.

Furthermore, consider using the STAR (Situation, Task, Action, Result) method to structure your examples. This approach allows you to provide a concise and structured account of your accomplishments. Describe the situation or challenge you faced, outline the tasks or actions you undertook, and conclude with the results you achieved. This method helps the reader understand your capabilities and the impact you can bring to the European Union.

Europass cover letter

The Europass cover letter is the most popular CV template in Western Europe, as it was designed by the European Union in order to promote accessibility and transparency across member nations. If you intend to apply for jobs in an EU nation, you’ll need to familiarize yourself with the Europass cover letter. Here’s what you need to know.

What is a Europass cover letter?

The Europass cover letter template is a standardized CV and cover letter format. It helps you present your qualifications and skills in an easy-to-digest format. For employers, the Europass cover letter offers standardization, which promotes faster application processing and hiring. You can access the customizable document on the European Union’s official website ( 1).

While a CV is technically the equivalent of a resume , the EU template lets you create a matching CV and cover letter , hence the term “Europass cover letter.”

The document is best known for its timeline-style format, where your most recent work experience is listed at the top of the document, followed by your subsequent role, and so on, until you cover all relevant positions and education. The EU template has a line along the left border of the document, with bullet points marking the start of each job or educational experience.

Overall, the Europass cover letter represents an excellent tool for making applying for jobs in the EU easier and more efficient. However, the layout of the template can lead to lengthy or bloated CVs and cover letters. Fortunately, you can use other resume templates to streamline your application.

Other products for jobseekers by Europass

The European Union has built on the success of the Europass cover letter and CV template by creating several other products for job seekers. Like the original resource, these tools are free to use and are designed to promote a more open and accessible hiring process across member nations. These products include:

Europass profile

Before you can create a Europass cover letter, you’ll need to make an account on the platform first. Fortunately, this is quite easy — and free. When setting up your profile, make sure to include all relevant work, training, and educational experiences. Also, list any volunteer work, language proficiency, and digital skills.

You can always go back and edit this information later or add new work experience. Additionally, you can pull information from your profile to create cover letters and other Europass documents.

“The Europass cover letter template is a standardized CV and cover letter format. It helps you present your qualifications and skills in an easy-to-digest format.”

Europass Mobility

Europass Mobility is a supporting document that provides more detail about your educational experiences. As with all Europass tools, this feature is totally free.

If you have acquired a diverse education from multiple nations across Europe, this tool can be a great addition to your job application. Just make sure to avoid making your cover letter too long or bloated, as doing so can make reviewing your documents cumbersome for hiring teams.

Europass Language Passport

The Language Passport allows you to showcase your linguistic talents. If you are proficient in two or more languages, you can create this document and use it to bolster your application.

This is especially important when applying for jobs where the native language is different from your own. After all, employers want to know that you can effectively communicate with team members if you earn the job.

Europass Certificate Supplement

The Europass Certificate Supplement provides employers with insights about your certifications or specialty qualifications. This document is especially popular among tech professionals due to the wide range of add-on certifications available in the field. However, you can use it anytime you need to outline non-traditional educational experiences.

Europass Diploma Supplement

The Europass Diploma Supplement provides a deep dive into your higher education. If you attended a prestigious university and were highly involved in extracurricular activities like clubs or sports teams, use the Europass Diploma Supplement.

Should I use the Europass cover letter?

Overall, the Europass cover letter template can be a great tool when applying for jobs abroad. The various add-on tools provide even more value to your job-hunting process. However, the template itself can be a bit dated and rigid. While you can customize it with your personal experiences, many of the formatting aspects cannot be changed.

If you aren’t sure if the Europass cover letter is a good fit for you, consider exploring other cover letter examples and resume articles from Jobseeker. Our growing library of resources can help you compare different options and decide the best way to showcase your skills and talents to European businesses.

Expert Tip:

Keep in mind that almost everyone applying for jobs in the EU uses the Europass cover letter template, which makes it difficult to stand out in competitive hiring processes. Using a more dynamic template can differentiate you from other job seekers and increase your odds of landing an interview.

The pros of a Europass cover letter

There are some undeniable benefits associated with using the Europass cover letter, including:

You enjoy access to complementary tools

If you use the EU’s free platform, you’ll have access to a range of complimentary tools, including Mobility, Language Passport, and Certificate Supplement. These add-ons allow you to go into greater detail about your abilities, work history, educational experience, and background.

Conversely, generic CV templates can be a bit limiting. That’s where the Europass template shines.

You benefit from standardization

If you have never applied for a job in Europe, using the Europass platform can make the entire process much easier. The standardized format takes the guesswork out of creating your cover letter and CV, as you can simply fill in the blanks.

Standardization also makes life simpler for hiring teams, as they know what order your information will be presented and where to find key details.

You have the opportunity to share a lot of information

If you have an extensive educational or professional background, the Europass cover letter can be expanded to suit your needs. You can add supplementary documents via the EU’s free tools and tell employers everything they need to know about who you are as a candidate.

The cons of a Europass cover letter

Before you create a Europass profile and get to work on your standardized cover letter, it’s important to consider the potential drawbacks of these templates. Here are three of the biggest shortcomings:

The U.K. doesn’t use the Europass

The United Kingdom doesn’t use the Europass cover letter. After Brexit, the U.K. made a concerted effort to differentiate itself from EU member nations.

The transition away from Europass cover letters was a relatively small change compared to some other post-Brexit changes. But if you are seeking a job in the U.K., it’s important to know that employers don’t expect a Europass CV.

The good news is that you can still nail your U.K. job application with a little help from Jobseeker. Our resume examples and cover letter articles offer real-world insights into what your U.K. documents should look like and how to make them stand out.

The template is restrictive

Perhaps the biggest shortcoming of the Europass cover letter is that it can be restrictive and rigid. You don’t have much freedom to change the overall layout of the document, only the information it contains. This can lead to your application blending in when it should be standing out.

Your CV may be too long

Another downside to the Europass template is that it can yield a long, multi-page document that obscures important information.

If you have a dynamic professional history and extensive educational background, you justifiably want to showcase it. But if you rely on Europass tools, your CV and cover letter could have a combined length of four pages or more.

You need a concise and engaging way of putting your skills on display. That’s where Jobseeker can help! Our matching CV and cover letter templates offer conciseness and standardization while also making applications stand out.

Stand out with Jobseeker

When it comes to writing a great cover letter, Europass alternatives like Jobseeker’s resume and cover letter templates represent a better option. Check out our Europass CV , a modern and highly customizable alternative designed to help you stand out and land your dream job.

Tips to write a motivation letter for traineeships at the EU institutions

Last updated on Monday, 15/11/2021

Applying for traineeships may become a tedious and stressing task, yet we will help you to get closer to that letter that will make you land your first experience in the EU institutions.

There are different programmes to obtain a traineeship in EU institutions: Blue Book Traineeship in the Commission , Schuman Traineeships in the European Parliament , funded traineeships in EU External Delegations, traineeships at the Council , the European Ombudsman, or experiences at any of the Agencies. To demonstrate your interest and display your qualifications you will have to carefully write the application form in each case. The format to submit your candidature may differ between a dedicated tool - such is the case of the Blue Book - or emails with the required documents. A work-experience in the EU institutions is the best way to understand how the EU works from the inside and get you started in a fruitful career in EU-related affairs. That is why there are thousands of applicants across the continent for each call, nonetheless, we will give you some tips to make your application stand out and increase your chances to be selected.

1. Take into account the space and character limit

It may sound obvious, but this is one of the first things you should consider when you are going to draft your motivation letter. Usually, the range is between 1,000 and 2,000 characters, depending on the application, and this will affect what information you put in and how detailed it can be.

2. Be selective

Having in mind the space you allocated, you should select very wisely what you are going to write. It’s likely that you have had various work-experiences (like summer jobs or part-time jobs in combination with your studies) or volunteering activities before, but you should only consider them if they relate to the position you are applying for.

3. Link your achievements to how they can contribute to the position

You certainly have achieved many things throughout your academic and personal life which could be an advantage to the position, but so have the rest of applicants. Hence, you shouldn’t aim to send a list with all your certificates since primary school to prove that your candidature excels among the rest. Instead, your experiences can serve the application if you elaborate on what you learnt in a way that explains how they can contribute to the position you are applying for. Put in a different way, the best way to highlight your background is to show how this will help you to carry out the duties related to the position.

4. Get familiar with EU jargon

Thanks to its diversity, during a traineeship in the institutions you will be able to come across many EU languages on a daily basis. However, you will be most likely using English and you should know that some words appear more often than others. This could help you to insert some of them in your motivation letter because it is a subtle way to demonstrate your interest and knowledge of the area where you will be involved. For example, some of these are worth having in mind: cooperation, fairness, development, integration, solidarity, diversity, sustainability, growth, or potential. Make sure you also understand the basic functioning/structures of the EU in order to use the correct vocabulary. Indeed, in the motivation letter, you will have to explain why you want to apply to a specific DG, unit or Agency.

5. Your personal touch

Last but not least, don’t forget that you should feel comfortable with the letter you send and that it should reflect what you want to highlight for the position. Make sure to follow a specific structure that serves to organise what you want to express about yourself, but don’t make it too difficult for a reader to get to know you. You may be sending that letter to your future colleagues! Read more about traineeships in EU institutions in the section Traineeships .

Select Your Language: Europass supports multiple languages, so choose the language in which you want to create your cover letter. This is important because your cover letter should be tailored to the language of the job application.

Provide Personal Information: Begin by entering your personal information, including your name, address, phone number, and email address. Make sure this information is accurate and up-to-date.

Add a Subject: In this section, include the subject of your cover letter. Typically, this is the position you're applying for or a reference number if provided in the job posting.

Salutation: Address the recipient with a proper salutation. If you know the name of the hiring manager, use it. Otherwise, a generic "Dear Sir/Madam" will suffice.

Write Your Cover Letter: This is where you'll compose the body of your cover letter. Europass provides a template to follow, including sections for your introduction, main content, and closing remarks. Pay attention to the job requirements and company culture when customizing your letter. Highlight your skills and experiences that align with the job description.

Closing and Signature: Conclude your cover letter with a courteous closing statement, such as "Sincerely" or "Yours faithfully," followed by your signature and typed name.

Review and Edit: Before finalizing your Europass cover letter, thoroughly proofread it for grammar and spelling errors. You can also use Europass's built-in spell-checking tool for added assurance.

Download and Save: Once you're satisfied with your cover letter, save it in your Europass account and download it in PDF format. This ensures that the formatting remains consistent and professional.

Attach to Your Job Application: Now that you have a polished Europass cover letter, attach it to your job application along with your Europass CV. Be sure to follow the specific application instructions provided by the employer.

Motivation letter sample for EU Commission traineeship

Dora Pataki,

Seventh Utca, 777

1056 Budapest,

Tel. +36 1 52 52 999

E-mail: [email protected]

25/Jun/2013

Dear Madam, Sir,

I am writing this letter in order to apply for a Traineeship at European Commission Directorate for Enlargement for the period Jan/Jun 2014.

I am Dora Pataki, motivated student from Budapest, Hungary, currently student at the Budapesti Corvunus Egyetem at the international master programme of European International Business Relations, and I am expecting to graduate during this summer. During studies I am focused to acquire deep and comprehensive knowledge in international finance, economics and accounting. Also, I am well introduced to European Logical Framework and EU project management, which I am planning to use as your Intern.

As I am deeply interested in European economic integration and the EU itself, I enrolled myself at the above mentioned master programme in addition to my undergraduate studies in Economics, where I had several EU-related courses like EU Policies, European Law practice and Human Rights of the EU. Thanks to those courses I have got familiar with the processes in the EU, EU Institutions and the enlargement as well. The issue of enlargement was the topic of my dissertation, based on the research that I’ve conducted in the last year of my studies. In the research I have intention to connect the foreign policy of the EU with the goals of the EU’s neighborhood policy, EU energy policy and defense policy. During the work on the dissertation I got broad understanding of the positive and negative aspects of the possible enlargement of the EU and all the challenges that it may brought. That is why I am applying for this traineeship, because it will enable me to enhance the knowledge on those topics, while bring a significant contribution to your team and the EU in general.

I posses a working level of English and German, in addition to my mother tongue Hungarian and I have started to learn French. In order to get familiar with the language and the culture I have been on study exchange at the University Paris 11, as an Erasmus student. I am satisfied with my progress, but I want to get opportunity to use the language more, which I will be able at your Directorate.

I honestly believe that I am highly motivated for the challenge to be your Trainee and I am eager to put in the practice all the knowledge gained at the University and as an Erasmus student.

Thank you very much for considering my application. If you have any questions regarding my application, please feel free to contact me at my e-mail or vie telephone.

Yours faithfully,

Sample cover letter for Internship position at EU Delegation

Got the job yes.

Dear ____________,

As I believe my educational background, experience, and interests are a good match for this position, I would like to apply for an internship of up to six months.

During my bachelor in European Law I took courses in substantive EU law as well as comparative European law and obtained a thorough understanding of EU institutions and the dynamics between Member States. In my bachelor, I also specialized in the highly political subject of public international law. Especially my exchange semester in ______ was exclusively focused on this field of the law. At _____, I endeavoured to deepen my knowledge of public international and European law. Moreover, I supplemented my previous fields of expertise with courses in international finance and business law, and European refugee, and competition law. An award for belonging to the top 3% of my university, the publication of one of my essays by ______and especially, my participation in an additional research programme for selected students have shown that I am able to conduct high quality research and easily adjust to a truly international working environment. Besides my studies, I have engaged in a number of extracurricular activities. In my capacity as board member in one of ______ largest student parties, I learned to work in a multicultural team on administrative tasks and political projects. Moreover, as member of the United Nations Student Association, I arranged seminars and helped organize a conference that attracted more than 530 applicants from over 50 countries. At the same time, I have always taken language classes in Dutch, Swedish and French.

My interest in European and international law developed during my gap year abroad when I realized that my understanding of national and international politics had been determined by the socio-economic stability of the environment in which I had grown up. Realizing that Europe's prosperity and peace cannot be taken for granted was the onset of my ever increasing interest in organizations designed to resolve and prevent international conflicts and foster international cooperation. Thus, despite my decision to study European law, I have never been interested in the black letter law as such. In fact, the intersection of law and politics is the pivotal point of my interests: Especially, my enthusiasm for public international law rests on its close ties to the field of international relations and diplomacy. By the same token, my decisions to study international finance law, European institutional law and international refugee law were driven by my desire to fathom the underlying policy choices of the legal regimes.

This focus on the intersection of diplomacy, politics and law prompts me to apply for an internship with your delegation. On the one hand, I hope this internship will be a first step in a career in international organizations and allows for an insight into the daily work of a diplomatic mission. On the other hand, I would like to enhance my understanding of the EU's role in international organizations. The Delegation of the EU to the United Nations in New York is particularly interesting to me due to the central role of the UN in the system of public international law; a focal point of my studies. I am convinced my academic focus, my research skills and my experience in working in an international environment would allow me to contribute constructively to the work of your delegation.

Please, do not hesitate to contact me if you need further information. I am also available for interview at any time. Thank you very much for your consideration.

Yours sincerely,

European Union Issues Warning to Musk, Trump Ahead of Historic X Interview

cover letter european union sample

Things are getting heated in the tech world! Thierry Breton, a top official from the European Commission, just sent a pretty intense letter to Elon Musk. The letter is a formal reminder to Musk that his platform, X (formerly known as Twitter), has to comply with the European Union’s Digital Services Act (DSA).

Musk will be interviewing Trump live at 8pm on X.

Breton highlights a couple of major points:

Potential Consequences: If X fails to comply with the DSA, the EU could take further action. Breton’s not messing around—he mentions that they could use their full “toolbox” of measures to protect EU citizens.

After a highly publicized interview between former President Donald Trump and Elon Musk on the X Spaces platform, which was viewed by over 23 million users, Vice President Kamala Harris was extended a similar invitation by Musk. Despite the widespread attention, Harris has not personally responded to the offer. Instead, New Jersey Governor Phil Murphy, a notable ally of both Vice President Harris and President Biden, relayed her stance during a public appearance on Tuesday.

Murphy defended Harris' refusal to do interviews, saying that she would not be accepting Elon Musk's offer.

In an interview with the Hill, Murphy said, "There’ll be plenty of time to do interviews. And God knows one thing about last night, without having heard it, that was no interview. So, when she does interviews, she’ll do it with real journalists like yourself."

Governor Murphy, while expressing disinterest in the Musk-Trump interaction, confirmed that Vice President Harris would not be participating in an interview on Musk's X platform. He emphasized Harris's recent successful weeks in politics, including her selection of Tim Walz as a significant addition to the team, underscoring a period of positive momentum in her political engagements.

"You won’t be surprised to hear, I had no time for the Musk-Trump interview. So, I can’t comment on any content. But, no, not at all. I think she’s had an extraordinary several weeks. Tim Walz is an inspired pick. She’s on a roll. She is—as he has said, she’s brought joy back into the whole arena of politics,” Murphy said to the Hill.

Murphy further criticized the format of Musk's session with Trump, suggesting that when Vice President Harris decides to engage in interviews, they will be conducted with credible journalists. This statement points to a strategic approach to media appearances, focusing on traditional and more controlled settings rather than the unpredictable nature of live streams on platforms like X.

The Vice President's campaign has also been vocal in its critique of the Musk-Trump discussion, labeling it as an exhibition of Trump's extremism. Despite the direct invitation and significant public interest, the response from Harris's camp indicates a continued focus on differentiating her media engagements from those aligned with Trump and Musk's platform.

Governor Murphy's comments not only reflect the political strategies of Vice President Harris but also her team's intent to manage her media presence carefully, especially in the build-up to the upcoming election cycle.

JACKSON, NJ—County crews and contractors began a much-anticipated road widening project on South New Prospect Road in Jackson Township this week.

According to county officials, the project is aimed at alleviating traffic congestion and enhancing safety measures, the project will transform the currently bustling two-lane road into a three-lane thoroughfare.

Jackson Township Councilman Mordy Burnstein, who kicked off discussions between the township and county last winter said the widening is long overdue and appreciated.

"The residents in the surrounding neighborhoods brought this to my attention after I took office, and through multiple meetings with county officials, we were able to convince the county that this was needed for the safety of our residents," Burnstein said.

The expansion will add a center turning lane to avoid traffic jams and to improve safety along the busy stretch of the road.

This initiative follows a productive meeting in January between township officials, Ocean County Commissioner Frank Sadeghi, and other county professionals. The discussions highlighted the county's support for addressing the township's traffic concerns.

South New Prospect Road has evolved over the past decade into a crucial artery for Jackson, linking Howell, Lakewood, and Jackson to County Line Road and the northeastern sectors of the township, including the Brookwood developments. This road is instrumental in facilitating smoother travel between these areas.

Burnstein thank Mayor Michael Reina and his administration for their work with the county to make sure this project came to fruition after the winter talks.

Re: Comments to RIA Part M Dear Sirs, EUROPEAN GLIDING UNION ___________________________________________________________ Representative Organisation of European Glider Pilots Paris, 24 January 2005 To: Air Eurosafe Please find attached, the answers to the RIA Questionnaire on Part M from the European Gliding Union, which represents the National Gliding Bodies (Federations or National Aero Clubs) of 16 European countries: Austria, Belgium, Czechia, Denmark, Finland, France, Germany, Italy, Ireland, The Netherlands, Norway, Slovakia, Slovenia, Sweden, Switzerland and United Kingdom. These National Gliding Bodies account for 80, 000 glider pilots, operating 18, 000 sailplanes and powered sailplanes. We have done our best to answer the questionnaire. Some of the questions are not very clear and we have concerns about many other issues, some of which have been raised in the detailed response made by Europe Air Sports to the first consultation paper (1/2003–06–02 regarding maintenance regulation). First of all, we feel strongly that this regulation is much too complex for simple aircraft like sailplanes and powered sailplanes. It has obviously been written for large-scale commercial aviation and the views of gliding and sport aviation in general were not considered when the scope of applicability of these rules was first made by proposals of the European Commission and enactment by the European Parliament. The Part M measures do not take into account the situation that has existed in most European countries for more than 50 years, where the national policies have encouraged delegation from National Airworthiness Authorities to the National Gliding Bodies (NGB). The attached “How it’s done” document shows that sailplanes, powered sailplanes and tow planes are mostly maintained in the framework of clubs, generally by inspectors trained and licensed by the NGB. Quality control is ensured by audits performed by a technical staff appointed by the NGB. Traineeships and other opportunities for young people in the EU

The European Solidarity Corps in action, Norcia, Italy

Young people eager to work with EU institutions, bodies or agencies have numerous options to gain valuable experience. Traineeships offer young professionals practical work experience and skill acquisition before transitioning to regular employment, while volunteering allows for practical skill development and is ideal for those looking to make a positive impact.

The European Commission offers the Blue Book programme , a 5-month paid traineeship open to all EU citizens with a limited number of places also allocated to non-EU nationals. Trainees gain hands-on experience in various areas of EU policy-making, human resources, translation, and other fields, contributing to projects that shape the future of Europe. Applications for traineeships starting in March 2025 are open until 31 August at 10:00 (CEST). Applicants must have a university degree and proficiency in 2 or 3 EU languages, depending on the type of traineeship. The application process involves completing an online form and providing supporting documents through the Commission’s official portal.

Beyond the Commission, various EU institutions, bodies and agencies offer internships and volunteer positions, providing unique insights into EU operations and fostering professional growth. These positions are available in a wide range of fields such as human resources, communication, IT, competition law, environmental policy, external relations, development policy and more.

The European Solidarity Corps (ESC) is an initiative that offers different opportunities for young people aged 18 to 30. It focuses on helping the wider community and promoting solidarity across Europe and beyond . Through volunteering and solidarity projects, participants can engage in projects related to humanitarian aid, social inclusion, environment, culture, education and others. ESC placements can last from 2 months to a year and cover basic costs such as accommodation and food, along with a small allowance for personal expenses.

Finding the right traineeship can be challenging, but there are many resources available to help young professionals. The European Personnel Selection Office (EPSO) portal offers a wide array of traineeship programmes with various EU institutions, bodies and agencies. The European Youth Portal provides resources and guidance on how to find and apply for positions across Europe, including volunteering, traineeships, working and studying abroad.

In 2024 the Commission proposed an initiative to improve the working conditions of trainees, including pay, as well as the inclusiveness and quality of traineeships in the EU. The initiative will also ensure that regular employment cannot be disguised as traineeships.
