Of course, even if you use one of the templates as a starting point, you still have to adjust the wording to your situation. Saying what you're thinking is not always easy to do. There may be many things you want to convey to your volunteers.

When planning the speech, the best thing to do is brainstorm and jot down ideas as they come to you. Then organize your sentiments into the speech you'll give at a recognition event or other special event where the volunteers will be in attendance.

What Is a Volunteer Orientation? 

A thoughtful new volunteer orientation ensures your volunteer recruitment efforts don’t go to waste. An effective orientation serves to:

  • Welcome new volunteers
  • Acquaint volunteers with your organization’s mission
  • Outline role expectations, responsibilities, and tasks

Orientation is often led by a volunteer coordinator and may be supported by experienced volunteers. 

What’s the difference between volunteer orientation and volunteer training?

Generally, your volunteer orientation is an overview of your organization’s mission and expectations. An informational orientation should be the first step to training volunteers in nonprofit participation. Volunteer orientation is just one part of a productive volunteer training program. 

The Benefits of a Volunteer Orientation?

As you know, the orientation program demonstrates how the volunteer’s efforts fit into your larger mission. A well-planned volunteer orientation can also serve to: 

  • Increase confidence : Through orientation, new volunteers can develop an increased sense of confidence in their work. If a person is uncomfortable soliciting donations, for instance, they may feel more at ease doing so when they realize that the donations will help a child buy school supplies for the coming school year.
  • Decrease risk : You can decrease the risk of future problems with your volunteer. If clear procedures and guidelines are explained from the start, you’ll save resources that may otherwise be spent on answering questions, fielding misunderstandings, or dispelling misconceptions about your organization.
  • Strengthen public image: Much like a staff member, your volunteer represents your organization when in public. The more informed they are about your operations and cause, the more they can fuel your public relations, recruitment, and marketing efforts by extension.
  • Improve volunteer retention . You can foster a sense of enthusiasm in your volunteer right from the start. If you cultivate the motivation and excitement in a volunteer, you will reaffirm their decision to volunteer for you. This is a critical step in retaining that volunteer, and in turning them into a potential donor in the future.

Preparing Your Volunteer Orientation

Deciding how to conduct your volunteer orientation.

There are several ways to conduct a volunteer orientation. Many volunteer orientations are conducted in person in a group setting. Orientation groups are a great way to train many new volunteers at once. Plus, volunteers will benefit from a group orientation–it can be fun and encourage volunteers to get to know one another for improved collaboration. 

Choose a time where your volunteers are more likely to attend, like early evenings or weekends. You may want to have several orientation times and dates available when volunteers tend to sign up the most–like around the holidays or the beginning of summer. 

If your volunteers have busy schedules, or you want them to begin as soon as possible, you may consider conducting an online volunteer orientation. Online orientations are becoming increasingly common, as volunteers can acquaint themselves with your orientation materials in their own time. Plus, the online volunteer orientation and training program can save your organization time and money. 

Before deciding how to deliver your orientation, you may want to consider the following: 

  • The complexity of your orientation . A simple orientation consisting of a few written materials can easily be distributed via email. However, if you are introducing new skills better handled in person, or your volunteers are working with children or populations that may require a bit more sensitivity, in-person training may be the most effective means of communication. 
  • Group volunteering . If you’re onboarding groups of volunteers, like employees or students, an in-person orientation can be a fun–and valuable–way to communicate need-to-know information. 
  • Event volunteer orientation . You may have volunteers who are involved in the planning and implementation of an event. Depending on the extensiveness of the event, you’ll likely need to make contact with your volunteers prior to the event. This can also be an opportunity to carry out any run-throughs and event-specific training. 

You should also consider planning an orientation that exists both online and in-person. Send documents via email so volunteers can read them in their own time, then gather your volunteers to conduct “stand-up” training. This way, you’ll make the most of your face-to-face time.

Formulate a volunteer orientation outline.

Whether your orientation is held in-person or online, you’ll find it useful to have materials like a volunteer orientation outline, manual, and any other supplemental information in writing. We worked with one of our customers, Volunteer Maine , to create an orientation outline to help you better plan your new volunteer orientation. This resource is different from a more general

volunteer training program outline, as it only covers items related specifically to your organization’s orientation process.  Your outline should include orientation preparation requirements, a day-of agenda, and post-orientation follow-up:

Pre-Orientation

Orientation Attendees (Volunteers):

  • Send a welcome email and orientation invitation
  • Send orientation confirmation and supporting documents

Orientation Staff:

  • Prepare staff and management with materials and roles
  • Assign mentors (if applicable)
  • Gather day-of materials

Upon Arrival (skip this step if conducting online): 

  • Welcome volunteers
  • Introduce staff
  • Review administrative procedures (i.e. parking, restrooms, breaks)

Consider creating a volunteer orientation PowerPoint

You may feel like you’re throwing a lot of information at your volunteers. Why not summarize your main points in a PowerPoint? The PowerPoint can serve as a visual outline for the discussion-based portion of your orientation. Include slides on your organization’s mission and goals and any other information that you can make more digestible for your volunteers (think “snapshots” of information rather than lots of text). Don’t forget to include images!

Engaging your new volunteers.

Reach out to your volunteers promptly after they register for an opportunity. Your goal with this initial contact is to introduce your organization’s mission and invite them to attend an orientation program. The simplest way to reach your new volunteers is via email. Consider a volunteer management software that includes an e-mail communication tool that helps you filter users based on opportunity, so you can efficiently and effectively tailor your messages. You may want to include the following information in your initial outreach:

  • Welcome to your organization 
  • Thank you for signing up
  • A brief introduction to your organization
  • Invitation to orientation
  • Procedure for how to confirm orientation (including any necessary email addresses or site links)

After the volunteer registers for an orientation, you’ll want to send another email that gives volunteers a sense of what to expect at volunteer orientation. Include or attach supplemental documents that will help acquaint attendees with your volunteerism program prior to orientation: 

  • Volunteer Orientation Manual 
  • Volunteer Orientation Agenda 
  • Date, time, and location details or orientation
  • List of what to bring (i.e. photo ID)
  • List of what you will provide (i.e. water, coffee, nametags)
  • Day-of contact information

The Volunteer Orientation

Now that you have a plan and your materials are prepared, it’s time to implement the orientation! Start by making sure your materials are prepared and printed in advance. Even if you decide to conduct your orientation online, ensure your documents are finished and organized before implementing your new orientation. We recommend creating a simple volunteer orientation checklist like this one to ensure you have all the supplies you need (packed and ready to go) for the day of your orientation: 

  • Your volunteer orientation outline
  • An agenda for volunteers
  • List of orientation attendees
  • Volunteer orientation PowerPoint (set up and ready to go when volunteers arrive)
  • Copies of the volunteer orientation manual
  • Nametags, pens
  • Snacks, coffee for volunteers
  • Volunteer training supplies (If your orientation includes a training component. Supplies may be role-specific, such as CPR training equipment.)

Your work isn’t finished after orientation. It’s important to maintain contact with your volunteers. A follow-up email is a great way to encourage volunteers to sign up for new opportunities and invite participants to attend further volunteer training.

It’s also important to evaluate the effectiveness of your orientation program and collect feedback from your volunteers. You may want to consider conducting a volunteer orientation survey (within a week of the orientation). You can ask your volunteers questions like: 

What did you find most valuable about your volunteer orientation? 

What questions do you still have? What are you hoping to learn more about?

What do you wish you learned more about during your volunteer orientation? 

What would you change about–or add to–your orientation experience?

The goal of volunteer orientation and training is to foster a happy, prepared volunteer base. Volunteer orientation is just one component of setting up a robust volunteer program . Nonprofit presentations: Tips, tricks, and other things to consider

Giving effective presentations can contribute greatly to a nonprofit’s success. In fact, presentations serve as an important avenue for organizations to share their stories, build partnerships, garner community support, and acquire new donors or volunteers.

Although most nonprofits recognize the need to take advantage of such opportunities, their presentations can sometimes fall flat.

“I think that in general we end up talking about the wrong things,” explains Sheena Greer , a nonprofit communications consultant and founder of Colludo . “We share too many stats or too much internal jargon and don’t work enough on having basic conversations about the work we do.”

Nonprofit professionals tend to be passionate about their work, and they often have an inspiring message to tell their audience. But they also have some unique communication challenges to overcome and, without the proper preparation, their messages can easily get lost.

One main challenge nonprofits face is that they need to prove their value in a way other industries don’t.

“Unlike businesses who can make a strong financial argument around profit, nonprofits have to prove how their work effectively achieves their mission,” says international public relations consultant Todd Hauptman . “It’s essential that they clearly articulate their stories and why they exist.”

Sharing stories of impact can help nonprofits provide this justification, while at the same time motivating their audiences on an emotional level. As Greer argues, “We don’t share enough stories about the work we do, which is much more compelling than a PowerPoint deck full of pie charts and statistics.”

But the kind of stories you share and the way you tie them in will depend on the purpose and intention of your presentation.

Ditch the cookie-cutter approach

A frequent mistake nonprofits make is using the same presentation again and again for different purposes. After all, there are many reasons they may need to present about their organization: they could be fundraising, promoting their programs, pitching their work to a big corporate sponsor, trying to influence a new governmental policy, or working to raise their profile in a particular community.

Although it can be tempting to recycle a great presentation, each reason for getting up in front of an audience warrants a unique approach and preparation. Naturally, some of the content will overlap from one presentation to the next. But to maximize the time you have with your audience, you should know what your intention is and target your presentation to accomplish that goal.

“The first piece I always have clients work on is identifying what they want their audience members to know, think, or do,” says public speaking coach Janice Tomich , adding that this intention is the thread that should run through your entire presentation.

To know what you want your audience to take away from your presentation, you must first understand just who your audience is.

Dive into the hearts and minds of your audience

Ask anyone involved in public speaking and they will likely tell you the same thing: knowing your audience is key. Your audience will influence the type information you share, the stories you tell, and the kind of energy you bring to your presentation.

“The entire presentation will be different depending upon the audience,” says Hauptman. “For instance, with an audience of potential donors or corporate funders, I would focus on how well the organization manages its resources to impact who they are serving.”

This may sound easy enough, but effectively connecting with different audiences can be challenging for nonprofits. Just as they have many reasons for presenting, they often have a wide range of audiences to present to. A common pitfall is that they focus more on what they want to say rather than what the audience needs to hear.

“I see it in my clients all the time,” says Tomich. “They’re really passionate about their message but they’re not at all considering who their audience is and how they need to hear that message. So audience is paramount to everything.”

A lot of nonprofit audiences are made up of donors, but they can just as easily be volunteers, employees, government or corporate funders, policy makers, board members, or other stakeholders.

No matter who they are, you can’t connect with your audience if you know nothing about them. Do your homework, take your time, and find out as much as you can about the group you’ll be speaking to. Importantly, try to find out what they already know.

“As with any form of communication, it’s important to start exactly where your audience is, not where you’d like them to be,” says Greer. “If you’re speaking to a group that knows nothing about your cause, you will start at a different place than you would with, say, a long-time corporate sponsor.”

One trick that can help you get into the minds of your audience is to use a persona – a fictional person you come up with to represent your target audience. Developing a mock profile of that person can help you better understand your audience and create personalized content.

In a Top Nonprofits article , Dan Quirk introduces three personas he says nonprofit content marketers should target: Corporate Cathy, Donor Dave, and Volunteer Victor. Take Corporate Cathy for example: she’s in her early 40s and married, has an MBA, is constantly in meetings, and values faith, education, and empowering women. She’s passionate about giving her kids a balanced upbringing and wants to grow her company’s community relations department.

With this kind of information, you get a better sense of how to best present and communicate your story to Cathy. Keeping her persona in mind can help you put together a more relevant presentation and connect with your audience on an emotional level.

This is another common challenge charities face when presenting, since so much rides on getting the crowd invested emotionally in their cause. Knowing your audience members and what they care about can go a long way in helping presenters make that connection.

“For me this piece is really crucial,” says Tomich. “They need to understand what the emotional trigger is and get into the hearts and minds of those they want to tap into.”

To this end, investing in finding out your donor profiles is a smart and responsible use of funds, according to Hauptman. “Data is a vital part of effective fundraising campaigns,” he says, “because it allows organizations to understand exactly who they are targeting.”

Avoid death by PowerPoint

Another pitfall in nonprofit presentations is overcomplicated content and distracting visuals.

Too often, nonprofit professionals cram bullet point after bullet point onto slides in order to guide their presentations. But when you put a lot of words in front of your audience, they’re going to read. And when they read, they’re no longer listening.

The most obvious way to avoid this is not to use slides at all. “If you don’t need a slide deck, don’t use one,” says Tomich. “It can be a distraction where the presenter would be much better served by having all eyes and ears on them.”

When slides are necessary, limit the number of words and make sure your slides are predominantly visual. This will help your audience stay focused on you rather than the words on the screen. “Your message will come across more powerfully visually and in-person if the presentation isn’t packed with words,” says Hauptman.

While visual aids can be very helpful, it’s important to keep them simple. “Often when we’re creating a slide deck, we feel a lot of pressure to “jazz it up” and can get carried away with using images and aids that don’t make a lot of sense,” says Greer.

Keep in mind there are other ways to deliver interactive and media-rich presentations aside from PowerPoint. Some people prefer to use Prezi – an online presentation platform that allows you to make engaging and flexible presentations without strictly ordered slides. By letting you adapt your delivery as you go, Prezi helps you turn your presentation into more of a dialogue.

This piece – keeping your presentation conversational – is crucial, according to Greer. It not only helps keep your audience engaged, but also helps with nerves. “We tend not to be nervous about having a deep conversation with a group of friends around something we’re really interested in,” she explains.

Get those nerves under control

Managing nerves is a major challenge for presenters across all sectors, including nonprofits. In fact, the fear of public speaking, or Glossophobia, is one of the most commonly cited fears. So if you hate getting up in front of others, you’re not alone.

Fortunately, there are many things you can try in order to limit the jitters.

For starters, one of the best ways to overcome nerves is to make sure you really prepare. “Preparation is absolutely essential to ensuring that you are confident when you speak to your audience,” says Hauptman. Take the time to create and practice your presentation. Get feedback from others. And don’t try to memorize a script.

You should also pay attention to your breathing. “As adults, we tend to do a lot of chest breathing,” Tomich explains. “We’re not doing really deep belly breaths, as we should. It’s interesting what just a few deep belly breaths can do to really calm down your nerves.”

Another way to boost your confidence is by “power-posing.” As researcher Amy Cuddy discusses in her famous TED Talk , holding a pose where you’re taking up a lot of space can actually make you feel more confident. Try standing with your feet apart for two minutes with your arms reaching up like you just won a race – preferably somewhere private!

If all else fails and you’re still feeling the pre-presentation jitters, try to convince yourself you’re excited rather than nervous. Recent research by Harvard Business School psychologist Alison Wood Brooks found that reframing nervous feelings as excitement can improve public speaking performance.

In the end, just try to trust yourself and what you know about your charity’s work. As Hauptman suggests, “Let your passion and knowledge of the issues and your organization shine through your speaking.”

Before you can develop a long-term strategy, you need to understand the basics of volunteer engagement and what motivates volunteers to get involved with your cause in the first place. What is volunteer engagement?

Volunteer engagement is the process you follow to make sure your supporters are continually interested and actively engaged in your work throughout the entire lifecycle of their relationship with your organization. It requires constant communication with the volunteer from the minute they meet you, throughout the volunteer activity, and even after they’ve gone home.

Often, growing organizations believe that the most challenging part about volunteering is the recruitment process, but the true challenge is keeping volunteers engaged, fulfilled, and enthusiastic. At one time or another, we’ve all been excited to volunteer at an event only to show up and find the activities weren’t well planned, causing us to leave unfulfilled and unlikely to volunteer with that same organization. 

That volunteer engagement process helps you identify the skills of your volunteers, place them in roles that match those skills, and provide learning and growth opportunities for them. 

Your engagement strategy also provides insight into key metrics that tell you if your volunteers are being fully engaged and whether your organization is reaching its volunteer goals.

 Creating a foolproof volunteer engagement strategy just takes a few simple steps.

Step 1: Understand your volunteers and goals.

If your volunteers feel closely aligned with your organization’s mission and goals, they will contribute. But first, you need to understand exactly what motivates them to contribute. When recruiting volunteers , explore their intent, interests, and skills to get a sense of how you can create appealing opportunities for them. There are a few chances where you can acquire this information, such as:

  • During the sign-up process. Include fields on your sign-up form that inquire about the types of roles they'd be interested in and skills they think would be beneficial when serving your organization. This includes hard skills like marketing experience or the ability to lift a certain amount (for tasks like carrying a box of event t-shirts) and soft skills like interpersonal skills or problem-solving abilities.
  • Conversations with team members. Your volunteers will naturally communicate with the volunteer manager or other team members at some point. Everyone should know to listen for any indication of what people enjoy and what they'd like to see in their future assignments.
  • Informal training sessions and volunteer information conference calls. These can also give your team a better sense of who is willing to work, and who might have the experience necessary to be a stand-out volunteer leader.

Centralize any information you gather in your volunteer management solution , making it easy for any team member to reference your volunteers' preferences and place them in the roles that best suit each individual as they continue working with your organization.

What's more, if at any point they indicate that they'd like to develop a particular skill, that's a solid goal you can note and can consider offering training to support their development.

Overall, failing to understand the unique contributions of your volunteers or not placing them in roles that they are interested in can do serious damage to your volunteer retention rate. Volunteers who are not engaged do not return for future opportunities. That's why this is an integral part of any organization’s volunteer engagement strategy. 

Step 2: Determine how you’ll measure volunteer engagement.

Measuring success looks different for every organization—but it's something that must be defined when creating a volunteer engagement strategy.

Does success mean having a large number of supporters that volunteer short-term? Does it mean having volunteers complete a certain number of volunteer shifts per month? It’s worth considering what success looks like to your organization so your goals will be reflected in your volunteer engagement strategy.

Here are some metrics that you might use to measure your program's progress:

  • Frequency of volunteering. Determine how many shifts a volunteer works on average within a given period of time. Similarly, you might look at the average number of hours that volunteers contribute. If people are volunteering frequently and for long periods of time, that's a good sign that you're providing valuable experiences.
  • Volunteer attendance rate. If your volunteers are signing up but not showing up to their shifts, that's a sign of poor volunteer engagement and that something deeper may be wrong (such as poor communication leading up to shifts). Keep an eye on the number of no-shows you have at different volunteer events and attempt to identify any trends or problem areas that might be causing no-shows.
  • Volunteer retention rate. Whether individuals continue serving your organization is a good indication if they're engaged with their work. This metric is often measured year-over-year, but you can also measure it across events. Divide the number of volunteers you record at the end of your designated time period (such as the end of the year) by the number of volunteers you record at the beginning of it. Multiply by 100 to get your retention rate percentage.
  • Donations made by volunteers. Many organizations have realized that their volunteers are also some of their most committed donors. Calculate how many of your volunteers also donate. You might also calculate the percentage of donations made by volunteers vs. non-volunteers. This may help determine if you should start making more donation appeals to your volunteers.

These are just a few of the volunteer engagement metrics you can set. Figuring out how you will define and measure success will help immensely, especially as you go through the initial stages of recruiting volunteers and making sure that they are a perfect fit. Pull your team together to discuss these goals and metrics BEFORE you start asking for volunteers. Then, as you find out what metrics are valuable for your program, you can continue developing the opportunities and make sure each volunteer has a positive experience with your organization.

Step 3: Clearly define what long-term engagement looks like for your organization.

While you set your metrics, you’ll also want to factor in what successful long-term engagement looks like. Long-term engagement will create lasting relationships, transform volunteers into donors, and create a community that encourages more people to become involved with your mission.

Maybe it’s watching your one-time volunteers evolve to committed veterans for your cause and then to trusted event hosts or donors. Many organizers use our distributed organizing feature to complement their volunteer engagement strategies and propel their long-term engagement forward.

Step 4: Walk through the volunteer engagement lifecycle and identify weak spots.

If you find that your volunteers are burnt out and uninterested in their work, integrate more opportunities for communication and feedback. Maybe even consider upgrading your recognition programs and finding better ways to show volunteers your appreciation!

Your current volunteer engagement lifecycle should, at a minimum, include the following stages:

  • Recruitment - As we mentioned, engagement starts the moment a volunteer interacts with your organization for the first time. Create a seamless signup process to create a positive first impression and start relationships off on the right foot.   • Screening - This process involves vetting your volunteers to make sure they have the skills and meet the requirements necessary to thrive in their roles. This might entail background checks in certain circumstances, too.

Consider any preferences they indicate during the signup process, including what shifts they request. The volunteer lifecycle is a fairly straightforward process that should be reflected in your volunteer engagement strategy.

As you walk through each stage of the volunteer engagement lifecycle, use the metrics that you previously set as a barometer for success and to identify gaps or failures. If volunteer engagement dips in any one of these areas, you'll know where to revisit to fix the issue.

For instance, if your total number of volunteers is down, you might need to focus on recruitment by marketing any upcoming opportunities better. If your attendance rate is down and you have a high number of no-shows, you might need to increase communication leading up to volunteer events. By consistently monitoring metrics in each stage of this cycle, you won't go through your entire program only to find out something didn't work.

Step 5: Focus on your volunteer onboarding process.

Remember that your volunteers have committed themselves to your mission and goals! It's important to show that you are just as committed by creating a volunteer onboarding process to get them up and running as part of your volunteer engagement strategy.

A successful volunteer onboarding process should:

  • Tell your organization’s story and mission
  • Teach volunteers about different opportunities that are available to them
  • Establish goals for volunteers to give them something to strive toward
  • Offer space for volunteers and staff members to get to know each other
  • Create an exciting team environment prepared to mobilize volunteers

Consider relevant workshops and presentations that you and your colleagues can prepare to help with your volunteer engagement strategy . Offer shadowing opportunities and mentorships to volunteers that will help them form an even more meaningful connection with your organization.

Think about which volunteer opportunities you will be filling. Do these various opportunities all require a separate level of preparation? Not every role will require a detailed onboarding process, but each one can involve some level of introduction and education (even if it's only for 10-15 minutes).

Step 6: Make sure you’ve got the right tools to support volunteer engagement.

The tools you choose to support your engagement will prove to be a gamechanger for your volunteer engagement strategy! As your organization continues to grow, the number of volunteers interested in supporting your mission will increase. Ensure that you have the proper tools and resources to stay ahead of the curve, retain volunteers, and build a stronger community.

You'll need tools that:

  • Simplify the registration process so that you can provide a seamless signup process and inspire volunteers to get involved time and time again.
  • Manage communication to remind volunteers of the opportunities they've signed up for and gather post-event feedback via surveys.
  • Gather robust data (such as shift signups, types of volunteer roles that people sign up for, and so on) to help refine your volunteer engagement tactics.

Targeted Volunteer Recruitment: Planning Your Presentation

Many organizations rely on the support of volunteers to fulfill a variety of needs. Recruiting volunteers on a regular basis is a necessity for many programs. Volunteer recruitment can be labor intensive and a targeted approach can maximize recruitment efforts. Targeted volunteer recruitment involves crafting a message to gain the attention of a specific audience and addressing their questions and needs. From an organizational standpoint, it is crucial to understand the needs of the organization and be aware of which volunteer positions need to be filled. Once you have a clear idea in mind of what it is you are trying to accomplish through volunteer support, you will better understand which groups you might approach for help. It’s also important to tailor your message based on your audience. Just like advertising, each demographic has certain needs and marketers try to package their product in order to make it as attractive as possible. For many individuals, their time is more precious than their money—which is why it is so important to explain your opportunity in a way that will want to make them give your organization that gift. Be clear about the expectations, but share them in a way that showcases what might appeal most to your audience.

Before You Begin

Before you start recruiting, it’s important to think about who you want to target based on the needs of your program. Consider the following questions:

  • What population do you serve?
  • What volunteer positions do you have available?
  • What are the transportation needs of the volunteer position?
  • Where do people who meet these characteristics spend time? Consider clubs, associations, types of businesses and community organizations.
  • What kind of commitment do you require from volunteers?

Understanding Your Target Audience

Once you identify your ideal volunteer base and select places you may go to engage them, it is important to learn more about this group. Make sure you do your research before heading into a recruiting opportunity. Ask yourself:

  • What are the demographics of this group?
  • What does this group already know about volunteering? Are they currently volunteering, and if not, why?
  • What do they already know about your program?
  • What motivates this audience?
  • What is the context in which you will be delivering your pitch?

Planning You Recruitment Pitch

Prior to delivering your recruitment presentation, there are many elements to consider. Keep the following things in mind:

  • You might not necessarily be the right person to give this style of presentation. The style of the presentation, audience or situation might not be ideal given your talents and skills. You might consider asking a colleague to co-present to share another perspective, or inviting a youth or current volunteer to share their experience.
  • Recruiting volunteers can be an intimidating or emotionally draining experience, and sometimes we can carry those feelings in with us when recruiting. Conduct a self-check by tuning in to your current emotional state. If you go into a recruitment event expecting them to say no, it can affect how you share your message—in a bad way! Stay positive and let your light shine.
  • Targeted recruitment is about tweaking your message to appeal to your audience. You should not be delivering the same presentation to every group. On the other hand, some things should stay consistent—logos, tag lines, etc.
  • Make sure there is a consistent brand identifier so potential volunteers can find you in the future.
  • Different approaches appeal to different audiences. Some people are sold by “warm fuzzies” or stories and photos that pack an emotional punch. Others need statistical data about the volunteer program and opportunity in order to be motivated to give their time to a worthy cause. Others need a combination of the two. Plan accordingly.
  • The print materials you provide to your audience should reflect their diversity as well as the diversity of your audience. Help your audience to visually imagine themselves volunteering with your organization.
  • Certain giveaways can motivate your audience. Some examples include entering them into a raffle or giving them a nice pen or another usable item with your program’s contact information. Base your giveaways on what might appeal to an audience.
  • Dress appropriately for the situation. It’s important to always look professional, neat and well-groomed.
  • Technology can be a friend or foe when recruiting. Know when to use presentation software, and be certain that if you do so, your presentation helps your audience understand your opportunity. We often use PowerPoints for our own benefit as presenters rather than for the audience’s.
  • If you decide to use technology in your presentation, make sure you are well-prepared with a backup plan in case the technology fails.

The Presentation

Depending on the amount of time you are given, your presentation can include a number of things. Some things to consider:

  • Cover the who, what, when, where, why and how of your volunteer opportunity.
  • Be certain the presentation has a concrete beginning, middle and end.
  • Make sure to include the “So what?” and leave them with an impact.
  • Describe the benefits of volunteering from their perspective.
  • Share what it is you want them to do and how they can get involved.
  • Leave them with your contact information and get contact for individuals who are interested.

Following Up

Many volunteer organizations lose out on wonderful volunteers due to a lack of follow through. Here are some things to keep in mind after you make the ask:

  • Send the organization a personalized note thanking them for the opportunity to present and encouraging them to get involved.
  • Contact the individuals who indicated an interest within a few business days. Make sure you stay fresh in their mind.
  • If your program requires an applications process, you will need to continue to motivate and support potential volunteers to get through the process.

12 Volunteer Training Activities You Need to Try Right Now

As common as it is, presentation-style training is actually one of the least effective methods for training volunteers , and anyone else for that matter. Presentations, on their own, cannot adequately teach behavioral skills, critical thinking, or values, all of which are an important part of volunteer training courses. So, what kind of volunteer training activities can you create that will boost learning, increase interaction, reflection, and practice?

Below are some examples of activities that include one or all of the above. You might try one in your next volunteer training and see how volunteers respond.  It may surprise you how much fun they (and you) have!

12 Creative Volunteer Training Methods

  • Buzz Group – A large group is divided into smaller groups. Groups are given a topic to discuss or problem to solve for only five to 10 minutes. They then report out one or two top line takeaways. Groups can be as small as two and as large as eight volunteers.
  • Case Study – A written account of a common situation that might be encountered by volunteers in their new role. They analyze, either individually, in pairs or in small groups and present their recommendations.
  • Clinic – Similar to a case study, however, volunteers present a particular problem and ask others to help solve it. Providing a simple, but thorough, problem-solving process sometimes helps generate better, more thoughtful results.
  • Colloquy – A panel, where half the participants are new volunteers and the other are subject matter experts (e.g., staff, veteran volunteers, community partners, etc.). The new volunteers come prepared to ask questions.
  • Critical Incident – Similar to a case study, but volunteers are given only part of the information and must ask the right questions to be given the additional info necessary to solve the case.
  • Field Trip – New volunteers take a tour of the place where their new assignment will be performed. The trip is carefully planned for observation, analysis, and discussion.
  • In-Basket – Prepared tasks or items are given to new volunteers to prioritize, make decisions, find resources, handle difficulties, respond to deadlines, etc. to get the workload completed. Helpful for building volunteer teams and cooperation if followed by a discussion about which team dynamics unfolded and how to improve them further.
  • Job Aids – These tools can come in many forms (worksheets, checklists, processes, flow charts, “cheat sheets,” glossaries, desk manuals, etc.) and are helpful in helping bridge the classroom and the task environment. They can also be created by new volunteers during training to assist them once they being work.
  • Listening Team(s) – A group of new volunteers is assigned to listen to a speaker, take notes, prepare questions, and summarize their observations and conclusions. Volunteers can be deployed throughout a conference comprised of many sessions and asked to present their summaries to the larger group.
  • Peer-Assisted Learning – New volunteers help each other learn through the guidance of a group leader who guides them through facilitated discussions. This is a great opportunity for more veteran volunteers to help new recruits get acclimated.
  • Reflection – New volunteers are given time to think alone about what they’ve learned and assess it’s applicability. They may or many not report back to a fellow trainee or to a larger group.
  • Role Play – New volunteers enact a situation to try out new skills or apply what they’ve learned. Role Plays can include Role Reversals where volunteers assume the roles of those they interact with frequently. Role Rotation is another option where the Role Play is stopped intermittently and new volunteers step in.

7 Virtual Volunteer Ideas

Volunteering has always brought people together in service of a common cause but now we must do this online due to COVID-19. There are more people than ever stuck at home and ready to work, the question is how to engage them? Once you have found the right idea post it where volunteers will find it , then consider a volunteer management tool to make sure they are well managed.

Here are some ideas to make the most of volunteers online:

Data/Image Projects

1. social media analytics report.

Have your intern review the past year of posts and data from your major platforms. They should answer questions the staff has about performance, give a 30k foot view of what happened, and generate insights about what’s working in a report. 2. Data hygiene projects

This can range from cleaning and completing Salesforce, spreadsheet, CRM or other databases for stakeholders. Make sure to create a dev copy and avoid letting interns edit live databases.

The right photo can make or break a campaign or donation pages. There are never enough photos to satisfy the social media monsters either which all rely on compelling images. Have a volunteer organize your image assets and put them in the right folders or work to build a library on Box.com, Dropbox, flickr or a shared Google Photos account.

4. Build a Photo Library

Similar to the last idea but challenge volunteers to find the types of photos you need in their personal libraries or venture out with a mask and take some. Expand this task to managing a public contest for supporters to email in pictures that volunteers can then clean up and put into the master library.

One of the greatest challenges presenters face is making their content memorable. Not only do they want to hold the attention of the audience, but they also want people to reflect on the presentation after it ends. There are plenty of ways to engage people, from opening jokes to icebreaker games , but they don’t necessarily guarantee that your audience will remember and actively apply your message. 

There is a science to connecting and engaging with audiences so that they better retain the information you present. The key is to make your presentations more interactive so people better engage with and retain your ideas. Why interactive presentations are so effective

To better understand why interactive presentations work, it helps to briefly step into the world of pedagogical theory. American educator Edgar Dale is credited with inventing the Cone of Experience , which highlights how we only remember 20% of what we hear, but 70% of what we say and 90% of what we do. Listening to a presentation and scanning slides on a deck is a form of passive learning, where audiences are more likely to forget the material. Conversely, discussing the content with someone else or simulating an experience is a form of active learning where audiences remember and apply what they know. 

Interactive presentations move audiences deeper into the Cone of Experience where they better engage with your message. People are more likely to remember what you are trying to convey and can tie your message to the activities you developed to reinforce your ideas. That doubles the opportunity for them to remember something compared to simply hearing a message during a static presentation.

5 interactive presentation ideas for active learning

There’s no one-size-fits-all approach to interactive learning. Depending on your audience and topic, you can incorporate multiple activities and engaging elements into your talk. Here are a few ideas to get started if you are ready to elevate your presentations.

1. Lead with real-time trivia questions

The first way to engage your audience is to collect feedback from your audience. Start your presentation with real-time trivia that tests what they know. You can incorporate a Poll Everywhere Multiple Choice Activity or a short Competition to quiz your audience. This immediately engages your listeners and challenges them to think about the content. 

There is also a pedagogical reason for leading with trivia: you are tapping into prior knowledge . Your audience members don’t have to be experts on the topic at hand, but they can reflect on what they are already familiar with and reinforce their knowledge with your messaging. This makes the content stickier, meaning your audience is more likely to remember it. 

After you ask the first questions, incorporate trivia throughout your presentation to reinforce concepts. A great example of this would be starting your presentation with a well-known misconception related to your topic. Ask your audience to answer based on what they know, and then after disproving this concept, ask them the same question again. Your audience will be surprised by the difference in their answers. This will also give your audience a dopamine hit (the feel-good hormone that comes with “aha!” moments) when they realize how much they are learning. 

2. Let audience members express themselves through polls 

Polling is a form of trivia that lets people express their opinions or ideas about a topic. For example, if you are leading a group of entrepreneurs through an accounting seminar, you might take a poll to identify what percentage of the audience “thinks bookkeeping is tedious,” or “gets overwhelmed easily by financial spreadsheets.”

There is also a psychological reason to take these polls: they enable you to tap into group emotions where people form connections because they experience the same feelings. This creates a sense of community and ties your messaging to emotional responses, making the content more memorable. 

3. Create a collaborative whiteboard

A collaborative whiteboard (or giant Post-it note) allows people to share their thoughts and ideas on the material as you introduce new concepts. It is a form of scaffolding where you start with a foundational idea and expand on it with more advanced information. You can create a single whiteboard with your audience or break them into groups so they create their giant Post-its together. 

Whenever there is a new idea, you or your audience writes it down on the whiteboard – ideally with a keyword or definition that explains what it means. New information is added throughout the presentation, highlighting how various concepts tie together. 

This is a form of active note-taking and collaborative learning where everyone works together to create a finished product.

4. Create roleplay opportunities

Another way to utilize active learning is to let audience members work through situations where the material is applied. You can either break your audience into small groups to work through these activities or ask for a few brave volunteers to interact with you in front of everyone else. 

The small group method allows everyone to participate, maximizing the amount of active learning in the room. However, for the sake of time and to keep the audience’s attention, you might prefer to run through this roleplay with just one or two people. 

If you choose the latter option, challenge the rest of your audience to think of their answers while listening to the main volunteer. You can also ask the group to answer questions in real time with a Poll Everywhere Q&A Activity before the roleplay begins so you can see how the group’s answers compare to the volunteer’s responses.  

5. Ask your audience members to teach the material to each other

One of the best ways to prove that you understand a concept is to teach it to others. This is another opportunity for your audience to break into groups while you walk around the room helping each pod of learners.

Consider developing worksheets where the groups have to work through problems by applying what they learned. They can then explain to each other why they came up with those answers. These discussions can give audience members space to think about what they learned and how they can apply it. Try to incorporate open-ended questions into this group work that fosters healthy discussions.    

After the group work is complete, bring everyone together to discuss what they learned. People can highlight the challenges they faced, which alerts you to material you might want to review before the session is over. This is also a great way to collect feedback on which parts of your presentation are confusing to audiences.
