How many times have you faced a presentation with too much text in it?

Have you ever wondered how to squeeze all that important information into the presentation , in a way that ensures the slides are comprehensible?

I can answer to this questions, introducing the ultimate guide to PowerPoint icons for presentations .

You can’t summarize more than what you have already done, because otherwise it wouldn’t be readable.  

In some other cases, your boss wants as much text as possible on the slides . He probably doesn’t know his speech and he doesn’t think it is worthwhile to rehearse before the presentation . He wants to take part in the “ shared reading session ” with the audience , instead of offering a presentation .

This might give him the feeling of saving time, it dramatically impacts the quality of his communication, most likely causing the audience to fall asleep within the first 5 minutes.

Every presentation is a dialogue with your audience.

As a dialogue among people, you must be the focus of their attention during the whole speech, not your slides !

If you fill your slides with text, your audience will end up reading the slides and not paying attention to you.

We use slides because they boost our communication and help our audience remember what we say.

People remember longer when they visualize (not read) information.

One of the essential objectives of iconography is to help people absorb, retain and process your message more efficiently. When designed well, using icons enriches minimal content by empowering key points without all of the wordiness. PowerPoint icons: What are the Cons/Risks of using icons in your design?

You want to use icons strategically to enhance your communication, but you don’t want to overdo it. Icons are like eye shadow… sometimes less is more. Too many icons in a design project risks creating confusion, rather than building clarity. Another risk is trying to force icons to illustrate overly complex concepts. Icons are, by their nature, simple. A simple icon may not appropriately capture the meaning of a complex concept, while alternatively an overly complex icon defeats its own purpose. PowerPoint vector icons work by simplifying a visual down to basics. However, there may be instances when sacrificing the nuance may work against you. For example, what is an appropriate icon to represent the age group 65+? Eyeglasses? A figure with a cane? Both icons place emphasis on disability and run the risk of offending seniors and perpetuating stereotypes. PowerPoint vector icons are graphic symbols that refer to objects or actual actions and are used instead of words because they seem more intuitive. However, the icons are not always the best way to represent the data. They work well only when the relationship between the icon and its meaning is automatic and independent from learning. In other words, it is necessary that the icon evokes its meaning implicitly, without interpretation from the user. For this reason, the most functional icons are those that more concretely represent the object or the action to which they relate. If it uses the natural mapping between the action you can perform, and an icon to represent said action, you will get intuitive icons to minimize the user’s interpretative effort and not force him to learn anything new. An example of a natural mapping applied to the icons is the use of “trash.” In this case, the trash icon is used to indicate the action to delete a file; the metaphor fully performs its task and you understand intuitively what action it may make. On the web, in e-commerce sites, a much-used metaphor is the “shopping basket”: it allows, usually, to immediately understand what is that icon, but to make metaphors work, their meaning must be highly shared. Using too many PowerPoint icons for presentations can work against you and become a distraction. Another risk is that the icon loses its meaning when used without a clear thought behind it. I work with presentations every day, and see abuse of icons daily. People need to think why they are using icons, and decide if it really adds any value to the communication of that message. Holly notices that icons are simple so they are powerful when they need to illustrate simple concepts .

Also, sometimes they can convey the wrong message since they recall stereotypes so they might not always be an alternative to pictures that are clearly richer in details.

Erika and Damon agrees on the fact that the icons need to be intuitive because the audience need to immediately understand it without risking any misinterpretation.

PowerPoint icons: How do icons and labels interact?

Icons and labels work together to reinforce the communication. The icon is the visual cue, and the label literally spells it out for them. I don’t generally recommend using icons on their own, unless their meaning has been clearly established. A visual shortcut that confuses the viewer sabotages the design. The objective is always to help the audience understand, not make them work hard or guess. There are many creative and elegant ways to present an icon and its label. That’s the fun part. Text labels are necessary when an understanding of an icon is not based on a previous experience, to communicate the meaning, reduce the ambiguity and improve the user experience. In terms of universal icons such as cart, search, and edit, labels are not necessary. An example of a necessary label icons with conflicting meanings, such as a star/heart. These icons are used for favorite, add to wish list action or rate action. Not only does the precise functionality associated to these icons vary from site to site, but these two icons compete. In my view, the purpose of using an icon is to visualize the text label and make it easier to grasp the message. When the icon and text label are in harmony (complement each other), the communication becomes so much easier to understand and remember. PowerPoint vector icons also work great for creating structure in the text layout. E.g. If you have five bullet points in a slide, these look pretty much the same and have no distinction whatsoever. Some icons do not need text labels, as they have a clear, universal message , while others need a text label to refer to the specific message.

There are multiple websites where you can find PowerPoint icons for presentations such as tons of free vector. I’m going to list some top-quality ones below:

  • www.flaticon.com
  • www.thenounproject.com
  • www.iconfinder.com
  • https://iconmonstr.com

Feel free to comment and add relevant websites.

Even though you can quickly tap into a huge offer of great free icons online , I’d suggest you to choose the website that you feel more comfortable to use and to go with it.

By just focusing on one site, you’ll be quicker every time you use it, as you’ll get accustomed to it. This will boost your effectiveness when you need to source many free icons for presentations .

For the above-mentioned reason, I chose Flaticon , which I find perfect for every use.

If you can’t find an icon that represents your concept, it’s often because you are not looking for the right thing.

When you scout for icons on these websites, you need to keep in mind that you are not using Google, so the results to your search will be exactly what you looked for, do not expect for related suggestions.

My suggestion is to think of the concept you are trying to visualize .

If a specific icon for that concept does not exist, jot down the word and brainstorm related alternatives that could be easier to associate to an icon.

For example, last week I was working on a presentation in the medical field and I had to find a way to visualize Erythema .

If you go to Flaticon and type Erythema, you won’t find an appropriate icon for that.

However, if you think at it as an inflammation , you could easily visualize it with a fire, which is what I did. Below, you’ll find some examples:

B&W vs colored icons in PowerPoint

My first tip concerning PowerPoint icons for presentations is to go to Flaticon where you will find hundreds of thousands of icons for every category you could ever imagine.

The first trick is to make a choice between black & white icons and colored icons. In the following image, you’ll see several icon packages:

As you can see, there are many beautiful PowerPoint vector icons and, at first, you could easily get caught by the joy of colored icons, but this is the point where I need to warn you to pay attention.

Colored icons are beautiful, but they introduce random colors in your presentation.

When you design a presentation and you want to use icons for PowerPoint presentations , one of the very first rules to respect is to be consistent with the color palette across all the slides (learn everything about how to use colors in a presentation in the extract of Lean Presentation Design – read more ).

Sometimes you build your color palette and you choose the colors, some others you must align with corporate brand guidelines.

In any case, you need to respect a guideline and to carefully control the colors of the elements that you introduce in your slides.

Therefore, I always recommend only using black and white PowerPoint icons for presentations.

I’m not telling you to limit yourself to B&W colors, but to apply to the mono-colored icons the one color that best fits with your color palette.

Finally, instead of having multicolored icons with uncontrollable colors that create visual noise, you’ll have all the icons consistent.

Remember “ less is more “, always.

PowerPoint icons: Which icon format shall we prefer for PowerPoint presentations?

When you choose free icons for presentations to download, you’ll have to choose the format you want to use.

Let’s see the opportunities that Flaticon gives you:

Download icons in PNG format

This is a well-known layered image format. It is typically used to create images without backgrounds.

Def. Portable Network Graphics (PNG /ˈpɪŋ/) is a raster graphics file format that supports lossless data compression. PNG was created as an improved, non-patented replacement for Graphics Interchange Format (GIF), and is the most widely used lossless image compression format on the Internet. Wikipedia
  • From low- to high-resolution images : 16px to 512px pictures. I recommend you to use 512px pictures. You’ll have the time to compress them in PowerPoint if needed.

  • Cutting possible : Images can be cut in PowerPoint to create nice graphics. For example, download an icon

Drag and drop it into PowerPoint (NB. I’m using Google Chrome, so I can drag it from the ribbon below directly).

Now place the icon, and then use the crop function.

As a result, you’ll get the image like it comes up from the outside of the slide, so it seems to be much longer than what it actually is.

  • Color not editable : You would better select the color before you download the icon because in PowerPoint you won’t be free to change the color as you like. There is a very primitive image color editing menu in PowerPoint, but I wouldn’t rely on it, as the colors you can apply are mostly ugly and the choice is very limited.

  • Hard to update : PNG Editing rigidity will create a problem every time you need to change it if you don’t remember how you found the icon. For example, you are making a presentation for your boss and you found a specific icon which he liked, but he just wants it to be a different color. You go back to Flaticon to find it again but you don’t remember what it was called and, in the meanwhile, Flaticon has also reordered the icons ranking. Trust me, it could take forever to find icons, even after only a week!

This is the most flexible vector format you could have in PowerPoint but you need to know a top-secret PowerPoint hack to unlock .eps icons’ editing functions.

Let me show you how to import and edit an .eps icon in PowerPoint:

  • Download the .eps icon of your choice.

2. Import it in PowerPoint. Ungroup it.

3. You’ll notice a frame around the icon. At this point, your icon is editable.

4. Click several times to enter the group of items and select the border to remove it.

5. From now on, every piece of the icon will be editable. I’ll apply different colors to the parts, just to give you an example.

  • Stretch the icons and keep the quality Vector icons can be stretched and resized without losing quality, as the vectors are rendered through formulas not through bitmaps. Therefore, every time you stretch the icon, the formulas behind will recalculate and proportionally render it.
  • Customize your icons .eps files allow you to edit most of the Flaticon icons. You could take parts away or just color part of them.
  • Change color whenever you want You’ll be always flexible to change colors in the icon or to parts of it at any time.
  • Ungrouping takes time You need to ungroup the icon and remove the border to make it ready to be edited, this takes time, especially when you work with many icons

Download icons in SVG format

Concerning PowerPoint icons for presentations,  SVG is my favorite format because it’s flexible and very quick to edit. In the past, it wasn’t possible to import SVG files in PowerPoint, but recently, PowerPoint 365 began supporting them.

  • Download the icons as an SVG file.

2. Drag and drop the icon into PowerPoint.

3. Select the icon and change the outline color of it.

4. Now try to play with the filling color (with regard to colors, I am not sure  you know that the attention of the audience is mainly attracted by the contrast that you can create, for example, with an intelligent use of colors.

  • Quick to import From Flaticon to PowerPoint, you just need to drag and drop once downloaded.
  • Flexible in colors You can change the color in PowerPoint as many time as you want directly in PowerPoint.
  • Stretchable Stretch as much as you want because it is a vector format that will not lose quality.
  • Not editable You cannot edit single parts like you would with an .eps

My recommendation is to always work with SVG files except for those icons that need a deeper editing in the way those are built. In those specific cases, go for an EPS and you’ll often be able to edit most of the icon.

PowerPoint icons: Convert fonts in vector icons directly in PowerPoint

Have you ever needed to use a font as part of a logo or for some specific part of your design?

In these situations, it becomes tough to work out the exact size of the font in points. Fonts are not comfortable to design things.

The best way to work this out is to convert the font into SVG icons tracing their outlines. Let me show you how to convert a font into an icon:

  • Type a word and design a rectangle (all shapes would work but a rectangle is easier to overlap).

Now that you can turn fonts into icons, you could use this technique for symbols. For example:

So, all of the sudden, every symbol included in your PowerPoint becomes an icon.

Turning a font into icons can go much further and let you access to tons of icons you could easily create. Let me show how it works.

Go to 1001fonts.com and you’ll find a huge repository of every kind of font. The cool thing is that the fonts are organized by categories. If you choose icons, 1001 fonts will sort out all the fonts where each letter corresponds to an icon:

  • The first step to use PowerPoint icons for presentations is to choose a cool one with many icons.

2. Now download this font and install it in your system. My recommendation is to drag and drop the OTF file into the font repository of your computer so that, if the font has many installation files, you won’t have to click and install them one by one.

3. Now open PowerPoint, assign the font to a new textbox and type some letters on your keyboard. You’ll be writing symbols!

4. In order to sort out all the icons from the font you downloaded you would have to type all the letters and the special characters on your keyboard or, keep reading and I’ll reveal you a quick tip. Open the windows character map.

5. Select the font you downloaded.

6. Choose the free icons for presentations that bests suit your needs and click copy (you’ll notice that the character map shows you a zoom of the selected letter to help you visualize your choice – thanks Microsoft!)

7. Another step to edit PowerPoint icons for presentations is to paste the icon as a text into a textbox in PowerPoint and the magic will happen! You’ll have imported the glyph as a text.

Now you know how to proceed to convert these “letters” into editable icons. Using the techniques illustrated above, you’ll get the result shown below (I added some colors).

You have now learned how to leverage fonts online in order to source PowerPoint icons for presentations.

In order to be much faster, I prepared for you a full map of the main characters of all the fonts. Apply the new glyph font to them in order to have all the characters ready to turn into icons. Let’s see how it works:

  • Open the insert menu and launch the icon panel.

Even though I find this new feature a revolutionary improvement from Microsoft, I never really use it for two reasons:

  • The set of PowerPoint icons for presentations is still very limited so I often don’t find what I need.
  • There is no search function . This forces you to go through the categories and find something like what you need. This process quickly becomes like looking for a needle in a haystack, so I prefer to use flaticon.

Nowadays, PowerPoint icons for presentations are a powerful tool to communicate in your presentations. Icons allow you to leverage a picture’s superiority effects thanks to their visual shapes.

Moreover, icons speed up your presentation design process, which is very useful when working on last minute presentations.

The good news is there are so many ways you can transform a sleep-inducing presentation into something that will absolutely blow your audience away. You can use graphics, videos, and other graphic elements like icons to spice up your presentations.

Don’t worry if you don’t know anything about icons. I’ll show you where you can download the best free presentation icons for PowerPoint later on. For now, let me show you why icons are so powerful in presentations.

Why Use Icons For Your PowerPoint Presentation?

Icons are here to stay. They’re not going anywhere. In fact, icon use has been on the rise not just in presentations, but also on websites, mobile apps, flyers, leaflets, etc. If you don’t believe me, then let me illustrate the difference between a slide without icons and a slide that uses icons. Check out the two images below and decide which of these two slides look better:

Would you say Slide 1 looks better? You’re most probably shaking your head “no.” When compared with Slide 2, Slide 1 seems too basic and far too dull. The icons on Slide 2 make the text stand out; in fact, they help support the text. I think Slide 2 looks easier on the eyes too.

So, here are some of the top benefits of using icons in presentations:

  • Icons help you save a lot of time creating slides

Instead of formatting your slides the traditional way, that is, by using bullet points (or worse, typing out entire paragraphs), you can simply insert icons on your slide. You don’t need to worry about typing out lengthy texts on your slides, and then worrying about the grammar and making it look good to your audience.

You simply need to locate the right icons for your text. If you’ve already downloaded icons to your computer, simply hit the insert button on PowerPoint and insert your selected icon. Move it around the slide until you find the right spot, add some text if you need to, and voila! You’ll have your slides ready in just a few seconds!

  • Icons are easily understood by your audience

Many icons are universally recognized, hence, you don’t need to include any explanations for most of them. Of course, if you plan on explaining any of the icons verbally, that’s also fine. You’re pretty much free to say anything you want to your audience, it’s just that slide design is an entirely different thing. You want your audience to pay attention to what you’re saying, you don’t want them to read your slides!

With icons, your audience only needs to look at them on your slide and they’d usually know instantly what the icons stand for. This prevents them from spending too much time reading your slides. Instead, it allows them to focus their entire attention on your speech and your presentation’s message.

  • Icons make your slides look ‘cleaner’

White space (or negative space) is important in any aspect of design, whether it be presentation design, website design, graphic design, etc. White space is the space between elements. The more space you have between elements, the better and easier it is for your audience to process the information you’re presenting on the screen.

When you use icons on your presentation slides, you’re essentially substituting all the space that several lines of text would have taken up with just a single icon. You don’t want too many things going on in your slides – that will be too distracting and will drive your audience’s attention away from your presentation.

The fact of the matter is you don’t want your audience playing on their phones instead of listening to your presentation! So, give them the incentive to do so – make sure your slides are easy on the eyes. Use icons wherever possible and declutter your slides.

  • Icons and graphics are more memorable than plain text

I bet you already know this for a fact. Icons, especially well-designed ones, are bound to capture your audience’s attention. I’m sure you’d feel absolutely ecstatic if people came up to you after your presentation and told you how awesome your icons and graphics were!

Look at it this way: when you use icons properly, they’ll help drive your presentation message home. And that’s basically what every presenter wants to achieve – to have their message received and understood by their audience.

Top 5 Places To Download Free Icons PowerPoint Templates For Your Next Presentation

Downloading the right icons can mean the difference between your presentation’s success or failure. But where exactly can you download the best icons on the web? Well, there are quite a number of good places where you can download high-quality (and free!) icons. Here are some of the top ones:

1. PowerPoint itself

Surprised? You shouldn’t be! At least not anymore. Not too long ago, inserting icons meant downloading them from third party sites or even creating them from scratch! The good news is PowerPoint has finally caught up with the present and met their massive user base’s demand for easier icon insertion. The bad news? Not everyone who’s installed PowerPoint on their computers has access to the built-in icon search feature. Only Office 365 subscribers with the latest version of the software can take advantage of this new feature.

If you have an Office 365 subscription, try the steps below:

Click Insert > Icons . The Icons sidebar will appear on your screen (you need to be connected to the Internet). You’ll then be presented with hundreds of icons in 26 categories. Here’s a screenshot:

Once you’ve selected an icon(s) you want to use, just click it and hit the Insert button. The Design Ideas tab will then appear next to the Icons tab in the sidebar.

You can use any of the preformatted design ideas, or you can edit your icons manually. Just click on the icon and the Graphic Format tab will show up on the ribbon.

As you can see in the screenshot above, you have a lot of different options to customize your icon. If you want to edit specific components or elements that make up your icon, you’d need to hit the Convert to Shape button (or right-click to see this option). You’ll get an Alert message like below:

Hit ‘ Yes.’ You’ll then be able to ‘ Ungroup’ the various elements or shapes that make up your icon by right-clicking the icon itself.

As you can see, inserting icons on PowerPoint can’t get any easier than this. So, if you’re someone who uses icons a lot, then you may want to shell out some cash for an Office 365 subscription. You can choose from various themes – filled, outlined, rounded, two-tone, and sharp. When downloading, you can choose to download in either SVG or PNG format. For best results, I recommend choosing SVG over PNG because you can easily scale your icon without degrading its quality (that is, no pixelation).

With more than a million vector icons, Flaticon is one of the biggest icon repositories on the Internet. Of course, if you want to access everything, you’d need to sign up for a premium subscription. For most people, however, a free membership would suffice. You still get access to thousands of free icons. Just remember, however, you’d need to attribute the author if you opt to remain a free member.

The good news is with Flaticon, you can download files in a variety of formats like PNG, SVG, EPS, PSD, etc. For best results, however, you need to download in vector icon format like SVG. You can then drag the icons you want to use to your slides, and then edit these as you see fit. You can resize, rotate, change the color, add effects, ungroup elements, and so much more . Note, however, that for this particular feature to work you need to have an Office 365 subscription.

You don’t want to confuse your audience, so make sure you use icons that accurately represent the point(s) you’re trying to make in your presentation. For example, if you’re talking about a particular book, then you may want to use a simple book icon instead of going for something a bit more complicated and hard to understand.

  • Stick to a single icon style

There are generally 3 different styles of icons you can choose from – outline, single-color filled and color-filled. No matter which style you go for, it’s important to stick to that particular style. It’s not a good idea to mix and match different styles because your presentation design is going to look messy with no cohesiveness at all.

If you’re using a color-filled icon, then it’s important to use the same colors throughout your presentation. You don’t want to use red icons on one slide and then green ones on the next slide. To add new text, you'll need to add a new text box. To add a new text box, click on the  Text Box button. Next, draw a diagonal line in a blank space to create a text box. Finally, click inside the box and start typing.

Begin by selecting the object that you want to delete. You'll know that the object is selected when a box with handles appear around the object. Next, click the  Edit tab above the toolbar. Once you click the  Edit tab   a menu will drop down. Select Delete from that menu.

Where to find icons in PowerPoint

PowerPoint offers its users a great selection of free icons . Just go to the Insert tab and click on Icons . A pop-up window opens, with a selection of over 500 PowerPoint icons sorted into categories. Using the search field, you can find suitable icons with a keyword.

How to insert icons in PowerPoint

Once you’ve found the icon you want, just click on it. A check mark will appear beside your selection. To place the icon on your slide, just click Insert . Done!

Customizing PowerPoint icons

Microsoft PowerPoint offers black icons by default, but you can easily change their color, resize them, and adjust individual elements of each icon .

To edit your PowerPoint icon, just click on it. The Graphics Format tab will open.

To change color In the Graphics Format tab, click on Graphics Fill . You can now select color you want from the pop-up window, or set a custom color under More Fill Colors .

Editing individual segments of icons

Microsoft PowerPoint allows you to customize individual components of icons. Here’s how:

  • Go to the Graphics Format tab, and click on Convert to Shape .

  • In some PowerPoint versions, a pop-up window will appear warning that the icon is being broken down into its individual parts and no longer represents a unit. Click on Yes to continue.
  • You will now see the icon broken down into its individual parts on your slide. To edit individual elements, press the key combination Ctrl + Shift + H to ungroup them.
  • You can now simply edit whichever elements you want, separately.
  • When you’ve finished editing  , you can save your customized icon as a vector graphic, so that you can include it on your slides in the future. Just right-click it, and in the context menu that opens, select Save as graphic . Tip: Save the vector graphic as an .emf or .wmf file. You can use these files in all PowerPoint versions without any problems.

While many presenters like using large images, animations and glossy illustrations, they miss out on using something much simpler, icons! The use of icons can help you create minimalist slides which can easily explain complex topics. Many icons represent universally recognized images, which can make it easier for you to present a message without even saying a word. Here are a few tips regarding how to use icons in your PowerPoint presentations.

1. Use PowerPoint to Insert Icons

PowerPoint provides a built-in interface for inserting icons in your presentations. You can use the PowerPoint version of Microsoft 365 to access the library of icons to look for the most appropriate icons via the Insert tab and make your slides self-explanatory with the visual aid of icons available in vector format. These icons can be resized without worrying about pixelation, since they are vector images.

To add icons in PowerPoint in Office 365, go to Insert -> Icons . This will open a new window from where you can choose icons by category or search for them using keywords. You can choose from a variety of icons organized under different categories such as People, Technology, Electronics, Business, Analytics, Arts, Celebration, Arrows, Interface, Animals, Food, Location, Vehicles and more.

You can also use the Format tab to recolor and format your icons right from within PowerPoint. For example, it is very easy to change the icon in PowerPoint, using the Fill options. To change the fill color, select the icon and then right click, select Format -> Fill option and then pick the desired color.

It can also be quite helpful for designers who might want to design their slide content in Adobe powered applications like Adobe PhotoShop or Illustrator.

1. Flaticon

Probably the most popular website for free icons, which can’t be missing on this list. There is almost nothing you cannot find on this platform – in fact there are almost 2 million graphics you can choose from. For the flaticon basic license, you must credit the author, but you can find closer information on that with every single icon/icon pack – the instructions on how to credit are always very clear.

Just like flaticon, you can find many icons on freepik. With the basic license, the author must be credited (again, the instructions are very clear when downloading an image). If you buy the premium license, attribution is not required.
