16 Presenting as a Group

Imagine you have been assigned to a group for a project requiring a presentation at the end. “Now is the busiest time in my schedule and I do not have time to fit all these people into it,” the voice in your head reminds you. Then you ask the question: “Is there ever a non-busy time for assembling a group together for a presentation ?” These thoughts are a part of a group presentation assignment. The combined expertise of several individuals is becoming increasingly necessary in many vocational (related to a specific occupation) and avocational (outside a specific occupation) presentations.

Group presentations in business may range from a business team exchanging sales data; research and development teams discussing business expansion ideas; to annual report presentations by boards of directors. Also, the government, private, and public sectors have many committees that participate in briefings, conference presentations, and other formal presentations. It is common for group presentations to be requested, created, and delivered to bring together the expertise of several people in one presentation. Thus, the task of deciding the most valuable information for audience members has become a coordination task involving several individuals. All group members are responsible for coordinating things such as themes, strong support/evidence, and different personalities and approaches in a specified time period. Coordination is defined in the dictionary as harmonious combination or interaction, as of functions or parts.

This chapter focuses on how the group, the speech assignment, the audience, and the presentation design play a role in the harmonious combination of planning, organization, and delivery for group presentations.

Preparing All Parts of the Assignment

In group presentations, you are working to coordinate one or two outcomes—outcomes related to the content (product outcomes) and/or outcomes related to the group skills and participation (process outcomes). Therefore, it is important to carefully review and outline the prescribed assignment of the group before you get large quantities of data, spreadsheets, interview notes, and other research materials.

Types of Group Presentations

A key component of a preparation plan is the type of group presentation. Not all group presentations require a format of standing in front of an audience and presenting. According to Sprague and Stuart (2005), there are four common types of group presentations:

  • A structured argument in which participants speak for or against a pre-announced proposition is called a debate . The proposition is worded so that one side has the burden of proof, and that same side has the benefit of speaking first and last. Speakers assume an advocacy role and attempt to persuade the audience, not each other.
  • The forum is essentially a question-and-answer session. One or more experts may be questioned by a panel of other experts, journalists, and/or the audience.
  • A panel consists of a group of experts publicly discussing a topic among themselves. Individually prepared speeches, if any, are limited to very brief opening statements.
  • Finally, the symposium is a series of short speeches, usually informative, on various aspects of the same general topic. Audience questions often follow (p. 318).

These four types of presentations, along with the traditional group presentation in front of an audience or on-the-job speaking, typically have pre-assigned parameters. Therefore, all group members must be clear about the assignment request.

Establishing Clear Objectives

For the group to accurately summarize for themselves who is the audience, what is the situation/occasion, and what supporting materials need to be located and selected, the group should establish clear objectives about both the process and the product being assessed.

Assessment plays a central role in optimizing the quality of group interaction. Thus, it is important to be clear whether the group is being assessed on the product(s) or outcome(s) only or will the processes within the group—such as equity of contribution, individual interaction with group members, and meeting deadlines—also be assessed. Kowitz and Knutson (1980) argue that three dimensions for group evaluation include (1) informational —dealing with the group’s designated tasks; (2) procedural —referring to how the group coordinates its activities and communication; and (3) interpersonal —focusing on the relationships that exist among members while the task is being accomplished. Groups without a pre-assigned assessment rubric may use the three dimensions to effectively create a group evaluation instrument.

The group should determine if the product includes both a written document and an oral presentation. The written document and oral presentation format may have been pre-assigned with an expectation behind the requested informative and/or persuasive content. Although the two should complement each other, the audience, message, and format for each should be clearly outlined. The group may create a product assessment guide (see Table 1) . Additionally, each group member should uniformly write down the purpose of the assignment. You may think you can keep the purpose in your head without any problem. Yet the goal is for each member to consistently have the same outcome in front of them. This will bring your research, writing, and thinking back to focus after engaging in a variety of resources or conversations.

Once the assignment has been coordinated in terms of the product and process objectives, type of presentation, and logistics, it is important for the group to clearly write down the agreed outcomes. Agreed outcomes about the product include a purpose statemen t that reflects an agreement with the prescribed assignment (i.e. “at the end of our group presentation the audience will be informed or persuaded about the prescribed assignment”). It also includes the key message or thesis to be developed through a presentation outline , a full-sentence outline of virtually everything the speaker intends to say. The outline allows the speakers to test the structure, the logic, and persuasive appeals in the speech (DiSanza & Legge, 2011, p. 131).

Logistics for Group Members

As a group, be very clear about the length of your presentation and its preparation. The length of the presentation refers to your time limit, and whether there is a question and answer period involved. Assignment preparation may or may not have a prescribed deadline. If the assignment does not have a deadline, then set one as a group. If there is a deadline, then the group begins by creating a schedule from the final deadline. As a group, create an action timetable explicitly listing all processes and outputs, as well as communication update points.

As a group, decide the best way to leave enough time in the end to put all the pieces together and make sure everything is complete. If there is a written document, it should be completed prior to the oral presentation rather than at the same time. As a group, realize not everyone may work off a physical calendar. Thus, do not hesitate to require each member to write down all deadlines.

Next, the group can strategically add meeting dates, times, and venues to the action timetable. A meeting is a structured conversation among a small group of people who gather to accomplish a specific task (Beebe & Mottet, 2010). For group presentations, meetings do not always include the entire group. So a schedule of who meets with whom and when is useful for planning work and agendas. In addition, all meetings do not serve the same purpose. For example, informational meetings may be called simply to update all group members; solicitation meetings are called to solicit opinions or request guidance from group members; group-building meetings are designed to promote unity and cohesiveness among group members; and problem-solving meetings result in making decisions or recommendations by the time the meeting convenes.

Once the group is unified about the assignment objectives and time frame, it is vital to predetermine the type of note-taking required of each group member (which may vary) and the variety of information exchange. The more systematic a group is in these two areas, the more unified the process and the product. The system begins with each group member writing down the message, specific purpose, and central ideas for the group presentation. If these are still to be determined, then have each group member identify the areas of background information needed and basic information gathering. Next, simply create a general format for note-taking—whether typed or handwritten and what types of details should be included especially sources. Also with the increasing use of electronic databases be very clear on when related articles should be forwarded to group members. The email inbox flooded with PDF files is not always a welcome situation.

The group should be clear on the explicit requirements for locating recent, relevant, and audience-appropriate source material for the presentation. All of this leads to the foundation of clearly defining the responsibilities of each group member. All tasks should be listed, given deadlines, and assigned people. A means for tracking the progress of each task should be outlined. The group should be clear on what are individual, joint (involving more than one group member), and entire group tasks. Throughout the entire process, all group members should be supportive and helpful but should not offer to do other people’s work.

Organizing for Your Audience

Organizing for your audience relates to how the gathered content can be best arranged for them. According to Patricia Fripp (2011), a Hall of Fame keynote speaker and executive speech coach, any presentation can be intimidating but the key is to remember “your goal is to present the most valuable information possible to the members of the audience” (p. 16). Now what you think is most valuable and what the audience thinks is most valuable must be coordinated because of differences in perception (the process by which we give meaning to our experience). Therefore, organizing for your audience is focused on content, structure, packaging, and human element—not for you, not for the assignment, but for the audience. A customized plan of organization will assist your group in creating relevant messages that satisfy others’ personal needs and goals (Keller, 1983).

Audience members are interested in your expertise that has been developed from solid research and preparation. Audience members may have expectations about what foundational literature and key sources should be contained within your presentation. Therefore as a group, you need to go beyond providing a variety of supporting material within your presentation to considering who will be present, levels of expertise, and their expectations. In general, organizing the content should be focused on usage, knowledge levels, and objectives. First, usage refers to how audience members expect to use your presentational content which will help the group transform ideas into audience-centered speech points. Second, knowledge level means the audience’s knowledge level about the topic within the audience which assists the group in developing supporting material for the entire audience. Third, the objectives are linked to how the content serves the audience’s needs and assists the group in being intentional about helping the audience see the reason for their involvement and receive value for the time they devoted to attend. Overall, the content is coordinated in a way that keeps at the forefront who the decision-makers are and what specifics they need to know, would be nice to know, and do not need to know.

Next professionally packaging a presentation for the audience deals with the structure or how you arrange points. The structure takes into consideration a strong opening, logical order, relevant key points, conciseness, and use of supplementary visual aids. In addition, the linking of points involves conversational language and the appropriate use of acronyms and technical jargon for inclusion or exclusion. The focus is geared to the perception of trustworthiness. Three strategic questions to answer include:

  • What qualities as a group will demonstrate your trustworthiness to this audience?
  • What content order needs to be achieved to give a consistent perception of fairness?
  • What content requires repeating and how should that be achieved—through comparisons, examples, illustrations, etc.?

The packaging of successful group presentations revolves around the type of relationship with the audience, the division of time, and enthusiasm. An important dynamic of group presentations is for your group to know if audience members will be required to give an internal presentation or briefing from your presentation. As a group, know if you are packaging a one-time presentation, bidding for a long-term relationship, continuing a relationship for offering expertise, or if the presentation is tied to internal pressures to performance appraisals. Such knowledge will aid your group in developing talking points which can be re-presented with accuracy.

The type of presentation will help you divide the time for your presentation. The majority of the time is always spent on the body of the speech. A typical 30-minute speech might be divided into four minutes for the introduction, ten minutes for the body, and four minutes for the conclusion. The remaining 12 minutes is for the audience to ask questions, offer objections, or simply to become part of the discussion. It is important to leave enough time for the audience to contribute to the intellectual content. Therefore, always design group presentations with the intent not to run out of time before the audience can participate. All group presentations should have enthusiasm. Group members should be enthusiastic about the audience, message, and occasion. Planned enthusiasm should play a role in creating the introduction, conclusion, and body of your presentations. The consistent use of enthusiasm can be planned throughout the speech outline.

Human Element

Now it is time to focus on compatibility. As a group, consider what will it take to get this audience to pay attention to your presentation. Answer questions such as:

  • What can your group do to develop an introduction, transitions, and conclusions in a way to connect with this audience?
  • What types of stories are common or relatable to this audience?
  • What are the attitudes, beliefs, and values of this audience?

Delivering Your Presentation as One

By completing the other levels of coordination, the group will have decided on the key message, thoroughly researched the supporting material, developed logical conclusions, and created realistic recommendations. Therefore all that stands between you and success is the actual presentation—the vehicle that carries the facts and the ideas to your audience. Here it is important to recognize that if an assignment required both a written document and an oral presentation then be sure one effectively complements the other. Although you can reference the written document during the oral presentation, the oral presentation should be planned with the thought in mind that not everyone is given the written document. Therefore, the oral presentation may be the only content they receive. Since you will not always know who receives the written document, it is best to coordinate the presentation as if no one has the full written document, which can serve as a reference tool for gaining content requiring further explanation or accessibility to detailed information. At the same time, if the entire audience is provided written material keep in mind different decision-makers may be in the audience. For example, the creative director may be only interested in your creative concepts, whereas a vice president of finance may be only interested in figures.

The presentation preparation primarily focuses on your group’s ability to develop a clear plan and execution of delivery. A delivery plan includes essential elements such as (1) purpose, (2) oral content, (3) dress, (4) room, (5) visuals, (6) delivery, and (7) rehearsal to ensure that the group presentation is both captivating and useful to your audience, as well as worth their time.

Group members should keep at the forefront of their minds the answer to the question “Was the general purpose—to inform or to persuade—achieved?” As a group, practice keeping the purpose of the presentation explicit for the audience. The purpose should never become hidden during the presentation. Each group member’s awareness of the purpose is important in maintaining the right kind of delivery. It is possible to have great content for a presentation and miss the entire purpose of the presentation. For example, say your group had been asked to do a presentation about Facebook and how it could be used in the financial industry. You could take an informative or persuasive approach. However, if the audience—banking professionals—attends a presentation where the content is focused on Facebook rather than having a focus on its use in the financial industry, then the purpose was not achieved.

The delivery plan will help you evaluate if the purpose of the presentation is clearly aimed at the primary audience. In addition, the group can determine when and how clearly they are articulating the explicit purpose of the presentation. The purpose is complemented by a clear preview, the audience members’ awareness of what decisions are at issue, and the audience’s desire to get important information first.

Oral Content

Up to this point the majority of the group’s engagement with the content has been in terms of reading and writing. It is time to orally interact with the selected content to ensure that it has been developed for this audience, properly structured, and clearly articulated. The delivery plan is a time to evaluate word choice, idioms, and antidotes. When working with this content, make sure that it is suited to the purpose, and that the key message is explicit so the audience remembers it well.

The introduction of group members, transitions, and internal summaries are all important elements of the delivery plan. A proper introduction of group members and the content will not happen automatically. Therefore, it is important to practice it to determine if introductions fit better at the beginning of the presentation, if names need to be emphasized through the wearing of name tags, or if names are better used as a part of transition content. The use of name only may not be effective in some speaking situations. Therefore, the group needs to determine what a proper group member introduction includes beyond the name. Plus, be consistent; that is, determine if everyone is using first name only or full name, do they need to know your positions, some background, or can you simply state it in a written format such as a team resume. Speech content is not useful if the audience does not accept your credibility.

As in all presentations, an awareness of your physical appearance is an important element in complementing the content of your speech. Do not hesitate to talk about and practice appropriate dress as a group. It is important to look like a group. Really consider defining a group’s speaking uniform by deciding how formal or informal the dress code is.

As a group, the overall question you want to be able to answer is: Did our dress provide an accurate first impression not distracting from the content? So what kinds of things can be distracting? The most common are colors, busy patterns, and large or clinking jewelry. As a group determine what type of dress is effective in coordinating your group’s credibility. It is important to take into consideration cultural, occupational, and regional norms. In addition, it is important to think about branding choices. Often groups want to brand themselves for the audience. It is not necessary to mimic your audience. For example, a sales presentation to cranberry association members may entice a group to wear red. However, the cranberry association may not be the only sale your group needs to make so you will be forced to ask the question: Will each sales presentation audience determine the color we accent in dress? In short, do not let the speaking occasion brand you. Simply know what is considered professional for this presentation. You have spent a lot of time on preparing the content for this audience so do not detract from it.

It is not always feasible to practice your delivery in the actual room where you will deliver your speech. However, it is extremely important that you actively plan your delivery for the room by recreating the speaking environment. If prior access to the room is not available, then you will need to do your planning by asking a series of questions of the presentation planner. Some common things to find out include the size of the room; if a projector is available and its location within the room; is there a platform and/or a stationary lectern; is there a sound system and how many microphones; where the group will be seated before being introduced; will the presentation be recorded; what is the availability of the room in advance of the presentation; and what is the number of seats and seating arrangement so the group can plan for the zone of interaction.

The term visuals refers to both non-technology visual aids (handouts, posters, charts, etc.) and presentation technology. Visuals should not appear as though several individuals made them but rather as uniform to the group’s presentation. All visuals should blend smoothly into the speech. All group members should be clear on what visuals or documents were pre-requested (so you do not eliminate them as unnecessary during rehearsal). Many times it is better to simply project or display visuals. At other times, visuals may need to be assembled in a presentation packet for all audience members. Bohn & Jabusch (1982) suggest that there are several researched-based reasons why visual aids enhance presentations including (a) enhanced understanding —helps audience comprehend what they hear and see; (b) enhanced memory —serves as a visual reinforcement; (c) enhanced organization—visually displays your organizational strategy; (d) enhanced attention —grabs and maintains audience interest; and (e) enhanced sequencing —shows rather than describes.

The four modes of delivery—memorized, impromptu, manuscript, and extemporaneous—are all valuable in group presentations. However, the most common mode of delivery is extemporaneous. Earlier in the chapter, developing a script was discussed. The step of transforming the script into a delivery outline —an abbreviated version of the preparation outline (DiSanza & Legge, 2011)—is a significant part of planning delivery. The ultimate goal is to figure out how the group can be confident that the entire presentation stays together and does not just exist in pieces. The delivery outline may go as far as to stipulate vocal and gesture instructions. The delivery outline is not created to be read from, therefore, the group also should determine how speaker notes will be used. The delivery outline should be provided to every group member so everyone is familiar with the entire presentation. It is important to set up contingency plans for who will present content if someone is absent on the day of the presentation—the presenter who gets stuck in morning traffic or the professional who had a flight delay.

The key is for all group members to remain conversational in their delivery style. This may be best achieved by utilizing effective delivery strategies such as appropriate gestures, movement, and posture; appropriate facial expressions including eye contact; and appropriate vocal delivery—articulation, dialect, pitch, pronunciation, rate, and volume. Group members should evaluate each other on audibility and fluency.

Rehearsals are for the final polishing of your presentations. It is a time to solidify logistics of how many group members are presenting, where they will stand, and the most appropriate transitions between each speaker. Group members should grow more comfortable with each other through rehearsals. A key aspect of polishing involves identifying gaps in content and gaining feedback on content (oral and visual), style, and delivery. The rehearsals are a good time to refine speaker notes and to practice the time limit. The number of scheduled rehearsals is dependent on your group and the amount of preparation time provided. The most important element for the group is to adapt their rehearsal timetable based on an honest evaluation of the speaking skills represented within the group.

The only part of a group presentation that you may not be able to rehearse is responding to the actual audience members’ questions and objections. However, you can anticipate the types of questions and practice a simple strategy of how you will respond—repeating the question, stating who from the group will respond, and answering succinctly. Four of the most common types of questions are follow-up questions; action-oriented questions focused on what would you do if; hypothetical questions focused on different scenarios; and information-seeking questions. A primary way to practice is to think of at least three questions you would like to answer, prepare the answer, and practice it during rehearsal(s).

The foundation of a group presentation is constructed from all the guidelines you use in an individual presentation coupled with additional strategies for working effectively with others. Group presentations primarily entail group communication, planning, organization, and delivery. Effective groups communicate about interaction roles, decision-making, and conflict resolution. Such communication helps the group reflect on group dynamics, customize communication for this speaking group, and establish a unified commitment and collaborative climate.

18 Ways to Make Your Presentation More Interactive

It can be difficult to hold your audience’s attention for the entire presentation. According to a  Prezi study , half of the respondents said they did something other than listen during a co-worker’s presentation, including:

  • Sending a text message (28%)
  • Checking emails (27%)
  • Falling asleep (17%)

An interactive presentation is much more likely to keep your audience’s attention and build rapport with them, and there are a few simple ways to achieve this, from live polling to asking questions throughout.

This article explores several different effective strategies for making the audience feel fully involved in your presentation and keeping your audience’s eyes away from their smartphones.

Why involve your audience?

Listening to a presentation for any length of time can be a difficult process. If you don’t involve the audience, they’ll start to play with their phones, talk to colleagues and generally lose track of what you are saying. Once this happens and you start seeing that the audience would rather be somewhere else, you’ll start feeling anxious and might try to speed up the presentation.

Engage your audience with your presentation

To engage a  large audience  fully, the presentation needs to be energetic, purposeful and staged, as if it is a direct conversation between both you and your audience. That way, they’ll absorb your ideas and insights and they’ll have learnt something in an enjoyable way.

1. Plan from the audience’s perspective

Before you start  writing your presentation , think about these points:

  • What are the most interesting parts in my topic?
  • How much will the audience know about my topic? What level do I target it at?
  • Which members of the audience will most likely be disinterested?
  • How can I help them learn and understand my topic?
  • What is the size of the audience?

You can do this by researching the event or conference, investigating other speakers at the event and even contacting the organisers to find out more about the demographic.

By asking these questions about your audience and identifying answers, you are starting to think about your audience’s interests and needs. Remember, the aim is to give the impression that your presentation has been planned according to your audience’s specific interests.

2. Use an easy-to-follow structure

When building your presentation, focus on giving it a structure which people can easily follow. Start by introducing the core concepts and goals, then elaborate on the various points in a bit more detail, draw logical conclusions and leave your audience with a clear takeaway message. You want to flow naturally from one part to the next like you are telling a big story chapter by chapter.

3. Get the audience immediately involved

You audience will come to your presentation in a range of different moods. Try using a simple ice-breaker to re-energise them and get them focussed on your presentation.

For example, ask people to stand up and introduce themselves to their neighbours, or have them identify two or three questions they would like to hear addressed during your presentation. By starting with an ice-breaker, you show your audience that your talk will be interactive and require their participation.

The audience’s attention drops to zero after just 10-15 minutes of your presentation. To get their attention back, take a break from your presentation from time to time and interact with your audience. Ask for their questions and answer them during your presentation. This will help clear up any confusion the audience might have.

When planning your presentation, identify opportunities in your material for your audience to ask questions. If you’re not comfortable breaking the flow of your presentation, mention that you’ll be taking  questions at the end  so the audience can prepare some questions.

Asking rhetorical questions as you move through your presentation involves your audience by stimulating their own thought processes. This technique also helps move between sections of your presentation as it establishes a clear transition from one point to another.

If you’re comfortable with taking questions throughout your presentation, use a tools such as  Slido , which allows your audience to ask questions anonymously at any time, so even shy people can participate in the discussion.

Watch how the presenter tries but initially fails to get the audience to interact with the presentation. Notice how he encourages them to get involved and eventually they do join in.

5. Use storytelling to make it more memorable

Since our early ancestors, stories have always been a huge part of human culture and civilisation. Storytelling is the most universal way to captivate your audience’s attention, no matter where they are from or what they do for a living.

Stories are much more engaging and memorable than lists of facts and figures, but you wouldn’t think so looking at the majority of presentations (particularly academic ones).

People automatically tune in when you  start telling your story  because they want to know what happens next. A popular storytelling technique is when you present the status quo and then reveal an improved path to that end goal.

Think of your presentation as one arching narrative. As we mentioned earlier, give it the proper structure with a clear beginning, middle and end. Introduce conflict and provide a powerful resolution that reinforces your key messages.

6. Use non-linear presentation software

Instead of flipping through slide after slide, you can show the relationships between your ideas and give your audience the “big picture” view of your topic. Try letting your audience drive the presentation by laying out all of your main points, and then let them choose which topics they want to go to. Your audience will get a truly custom presentation based on their interests, which they will appreciate and more easily remember.

7. Add in a short video

Billions of hours of YouTube are consumed each month and advertisers have identified videos as having a high  retention rate  for users. However very few presentations ever use videos to engage with their audience.

Find a short video clip that reinforces your story or explains a concept better than words can. You can either embed the video directly into your presentation software or include a link to an external website. Just make sure you test your method on the day of the presentation and have a backup on a USB just in case you need it.

8. Invite people onto the stage

If you’re preparing a particularly long presentation, consider having other people to come on stage and talk for a bit. This will help you narrate the story and make the whole presentation more interactive.

Steve Jobs never pulled off the entire presentation by himself; he always invited several speakers, including designers, partners, and other executives, to help him introduce their latest product. Of course, this technique should always be arranged with your colleagues in advance.

Remember that you will need to involve the whole audience if you are to make an effective presentation.

If you are nervous, eye contact can be very difficult to establish and maintain. Remember that some eye contact is better than none and that you should try to build your confidence over time.

17. Extend your usual vocal range

Your tone of voice, your volume, and other vocal aspects affect how people listen and hear your message.

But keep in mind that in order to learn how to introduce a guest speaker, you don’t have to always follow what they say.

That’s why it’s good to know the reason for their specific introduction.

2. Give a personal tidbit

Make the speaker personable. Nobody wants to sit and learn from someone they can’t relate to in any way. The more the audience feels they know about the speaker, the more engaged they’ll be.

Start the introduction with a personal tidbit about the speaker to humanize them and make them relatable to the audience. This could be a fun fact, a shared interest, or a brief anecdote. If you know the speaker from somewhere, give a brief note of that background.

  • How long have they been in this field?
  • Why did they agree to give this talk at this conference?

Answering some of these might point you in the right direction for which accolade to include.

4. Tell us what they’ll talk about

Of course, their topic will need to be introduced. Now, if you’re learning how to introduce a guest speaker, you might be gung-ho to list off the title of their presentation. However, some speakers prefer to have their title come after the introduction of their speech.

Make sure to ask before listing the title.

You can also introduce their topic in a way that doesn’t give the title or main topic away, either. By already sharing their accolades and experience, that can be enough. Or you can be vague and simply tell your audience that this guest speaker is here to “share their wisdom” with them.

Explain why the speaker is relevant to the event and how their expertise aligns with the event’s goals. This helps the audience see the value in listening to the speaker.

Much of this will already be done if you follow the steps above. That said, it’s important to make sure your audience knows that you vouch for this person and the reasons why, and also why you believe they’re a strong addition to the speaker line up at the event.

Your guest might not be the keynote speaker , but they do have value to add. Make sure your audience knows this!

BONUS: This should be common sense, but we find it important to note that if your guest has a name in which the pronunciation of it isn’t clear, ask them. Get a voice memo from them, not just an email or a text. And practice it. This is basic, being-a-good-person manners when introducing a guest speaker.

One of the most often overlooked parts of a presentation is the presentation handouts. So, in this post, we’ll give you a few examples of presentation handouts that you can create very easily and add impact to your speech or business meetings.

Good speakers and lecturers usually give presentation handouts to accompany their speeches. As a result, a great presentation handout can make your speech more memorable. It gives your audience the freedom to listen to your presentation instead of frantically taking notes.

The handouts you provide also help them remember the key points and highlights from your presentation, making your talk even more valuable. People are grateful for a good handout and will remember you (and the main points of your speech) long after the talk ended. Finally, your handout can be used as an exceptional marketing piece. If it is good enough, your audience members will both keep it and share it with others.

Don't Handout Your PowerPoint Slides as Notes

This has always been a hard and fast rule in my business presentation classes. But I have to admit, in recent years, I’ve changed my tune slightly here. When I first started teaching presentation classes, PowerPoint was still in its infancy. And the slideshows that people were creating were really awful. Folks would just create a never-ending series of bullet points on a never-ending slide deck. Since most presentations covered way too much content, it was impossible for the audience to retain most of it. In order to prevent information overload, presenters started printing off their slides and distributing the printed slide deck to their audience as a handout. As a result, the presenter ends up with a bad presentation accompanied by a bad handout.

However, if you get creative with your slides, you can actually use a printout of your slide deck to make your presentation more interactive (more on this later). The main point here is if you have a ton of content in your presentation, stuffing that content onto your slides and then just printing out your slides is not a good idea.

I sometimes make this point in class by starting to deliver a data-heavy slide deck. It typically only takes a few slides before someone in class figures out that I’m violating almost every tip that I’m giving them.

At that point, there is usually a nice laugh. I then switch to a better slideshow that is more audience-centered. The funny thing is, though, that before the class figures out that the bad PowerPoint presentation is a joke, someone in the class will often ask me if I will send them the slide deck.  So, if your audience is asking you for your slide deck, your presentation is probably not designed very well .

One of the main reasons that I have always encouraged my class members to not print out their slides is that the slides, without the speaker, aren’t going to make a lot of sense. However, most people will jot a few speaker notes of important information they want to say in the presentation. If you use the techniques that I cover here, you’ll likely create an outline with a few key items. You’ll likely also use stories, examples, analogies, anecdotes, quotes, statistics, and the like. Well, if you already have that content created before you create your slide deck, you could just insert that content into the Slide Notes in PowerPoint. Viola! Instant presentation handouts.

The Second Example of a Presentation Handout: Give Main Concepts with Space for Audience to Add Notes.

A friend of mine leads three-day training boot camps where he teaches social media marketing and website development. His handout is a three-ring binder full of printed pages. Each page has a series of rules followed by a quarter page of blank space. I once asked him, since the content that he was delivering was so detailed, why didn’t he just type it up and include it in his manuals.

He laughed and told me that he used to do that very thing. But the content in his industry was changing so quickly that, the moment he printed a new manual, those additional details would already be outdated. So, now, he just prints the core message. Then, he allows his students to fill in the blanks with the most current content that he delivers from the stage. (He gets fantastic reviews, by the way.)

I love this technique. It keeps the audience involved. It also allows the audience members to write out the content that is most important to each of them at the time they attended the meeting.

The Most Effective Example: Create a Presentation Handout that Contains Extra Content Not in Your Presentation

You want to include the content from your presentation in a written format. But you also want to add additional information that you won’t cover in the presentation. This is the technique that we use in our seminars and workshops.

For instance, if you are going to use a story as a piece of evidence in your verbal presentation, use a different story in your handout. If you use an analogy in your presentation, use a quote in your handout. When you use audience participation in your presentation, use a unique photograph in your handout.

If you do this, your target audience will see you as a valued expert on the topic. By the way, it is okay to use some of the same content in your slideshows, your oral presentations, and your handouts. It is important to be consistent. However, you want your verbal presentation to cover some key ideas that aren’t in your handout. And you want your handout to cover detailed information that you don’t speak about.

This type of presentation is a great handout because it becomes a textbook for your presentation. It does take longer to create a well-prepared handout. But you will find that the value to your audience far outweighs the additional effort.

During the presentation, you’ll want to say something like, “I’ve given you additional examples in your handout,” or “If you want the full step-by-step approach, you can download the handout from my website at [your URL].”

A Few Bonus Tips to Add Impact to Your Handouts.

Add a list of reference material for further reading

Your audience members will want to pick your brain. They want to know where you went to school, what kind of work experience you have, and most of all, where they can read more about your topic.

There’s a ton of resources out there, so instead of having your audience sort through them (or risk boring them with way too much detail in the presentation), just lead them in the right direction with your recommended reading. If the book is hard to find, or only available online, remember to include the link to where it can be purchased.

Consider adding a worksheet or action sheet

Depending on the type of presentation or speech you’re giving, you will likely have a call to action at the end, where you will encourage people to change or act on something related to your talk.

What Is The Role of Introducing Yourself In a Presentation?

Introducing yourself at the beginning of your presentation or keynote speech establishes your authority and credibility.

Introducing yourself effectively can also pique your audience’s interest and get their attention.

Keep your introduction short and sweet. Many presentations sink before they are even really underway by long-winded CVs recitals or too much context of what’s to come.

Your introduction needs only be a teaser of what you’ll be speaking. The goal is simply to help your audience understand the value you’ll bring to them—a short explainer of why it’s worth it for them to stay and listen.

PRO SPEAKING TIP: Many hosts scramble at the last minute to cobble together their guest’s introduction. I do presentation coaching , and I advise my clients to help out their hosts by providing an introduction to the host ahead of time. You’ll free them of the burden and they’ll have a professional introduction ready with no effort. Do be clear you want it delivered as written, since you are the best judge of what your audience wants and needs to know about you.

Why Is the Personal Introduction Important?

Once you have been introduced by the host or the master of ceremonies, your first job is to establish trust with your audience members. You need to introduce yourself in a way that lets the audience know you are an experienced subject matter expert and will draw in your audience’s attention.

Your self-introduction is an opportunity to warm the audience and create that initial connection, which helps create an inviting atmosphere where the audience members are more likely to be engaged.

Start Introducing Yourself Even Before the Event Begins

Before the event, use social media to introduce yourself to your audience.

You can start the conversation with your audience even before the event begins. Social media provides an easy way to connect with your audience. You can even ask what questions your audience has on the topic you will be speaking about. Common questions can give your amazing insights of what your audience wants to learn.

Likewise, as people are gathering, you have a second brilliant opportunity to introduce yourself—before you even walk onto the stage. As people are entering the room, reach out and say hello—introduce yourself! Some of my strongest, longest lasting connections have come through doing this. Introducing yourself to members of your audience before the speech is unexpected and usually well received (it also helps to calm down before your presentation, it eases your presentation nerves ). Meeting and greeting is a perfect way to begin to warm the room for you and provides some teasers of what you might be speaking about.

5 Unusual Ways To Introduce Yourself in a Speech or Presentation

Personal self-introductions provide an opportunity to have your name, expertise and story be sticky and memorable . You want your audience to leave your presentation be thinking about what you said and who you are.

Let’s assume you’ve already been introduced by your host.

Here are 5 unusual ways to introduce yourself at the beginning of your speech that no one will forget:

1. Do the Unexpected. Be Bold.

Almost every public speaker starts with the presenter introducing themself, their credentials, and then an overview of what they plan to speak about.

Imagine if you introduced yourself differently. The effect is a far more engaged audience. Consider asking a question and fielding the responses. Or, turn the tables. Ask people to introduce themselves to each other or have a few attendees introduce themselves to you. Ask those attendees what they want to learn from your session, and then respond with how how you plan to speak to their needs within the speech.

2. Address the Elephant in the Room

Does your appearance send a signal that you are young and may lack experience? Or perhaps you have lots of age and wisdom on your side and are presenting to a young audience? In this case, self-deprecating humour can quickly dissolve the elephant that is consuming the room. I’ll bet you’ll long be remembered as the cheeky renegade who was able to connect with your audience.

3. Use a Problem, Solution, Benefit Format

Set up your presentation, by concisely speaking to your main point —the problem you will be addressing. Then, allude to the solution(s) you will provide as well as the benefits and outcomes that your audience will receive from implementing your solution(s).

Brevity is your friend when you introduce yourself in this way. It’s a powerful way to pull your audience into your talk.

4. Skip the Introduction

Jumping right into your presentation will catch your audience’s attention—after all, there’s no rule that you must introduce yourself right at the very beginning of your speech. If you take this approach, weave references to your expertise and a personal antidote or two within your presentation itself to establish your credibility and why your audience should continue listening. (Simply leaping in without context will cause confusion if you don’t provide some backfill to help your audience connect the dots as to why you can be trusted to speak on the topic at hand.)

5. Use a Thought-Provoking Image of Yourself

Using a powerpoint slide image is a powerful way to catch your audience's attention while your introduce yourself at the beginning of a presentation.

It’s not easy to find just the ‘right’ image to introduce yourself and begin your presentation, because whatever you choose needs to be striking and impactful. The key is to choose an image which easily aligns with what you will be presenting.

Opening with an image for your first PowerPoint presentation slide gives an opportunity to speak to why the image resonates for you. You should also introduce your experience as you speak to the relevance of the image.

Boring, status quo introductions within presentations are soon forgotten. They’re usually forgotten a few seconds or minutes after they are delivered. Getting your introductions right is a core part of improving your presentation skills.

If you want to stand out from the crowd in professional settings it’s necessary to create unexpected, memorable introductions. This warms every person in the room and engages them—your introduction speech does not need to be boring!

What is Conversational Presenting and Why You Should Give It a Try

Presentations are far from being dead.

With 30 million PowerPoint presentations delivered every single day, they’re doing better than ever.

But the fact is that many of these presentations are broken. They just don’t work.

Many blame it on “Death by PowerPoint”, but it’s not about the tool.

It’s about the way we deliver information.

We are stuck in a century-old, passive style of one-way information broadcast. And that format simply doesn’t comply with the 21st century.

The numbers speak for themselves: According to Prezi’s recent research, only 4% of people said that they find linear, one-way presentations engaging and memorable.

Alarming number. Yet, presenters around the world still follow the status quo because there seem to be no immediate consequences for not changing it.

But what about the $37 billion wasted yearly on ineffective meetings, largely due to ineffective presentations? Or, the 58% of content forgotten, in just 20 minutes into the presentation?

The stats have it that poor presentations do translate into real consequences.

Now let’s take a look at how to fix them.

What is Conversational Presenting?

Here comes the only definition in this article.

Conversational presenting is about delivering a presentation that gives your audience multiple opportunities for structured interaction.

This is what it means in reality.

Let’s think about a traditional presentation for a moment. What words come to your mind?

We asked this question to people during dozens of our presentations.

And this is what we got. Each time.

Conversational presenting is ultimately about making your presentations everything that’s on the second word cloud .

Interactive, engaging, fun. But above all, impactful.

How is Conversational Presenting different?

At its core, Conversational Presenting does not differ much from a presentation format that you know – you still deliver your content.

But unlike traditional presentations, Conversational Presenting brings another element into the equation: Interaction .

Adding interactive activities and facilitation techniques into your flow will help you break the one-way content stream into bite-size pieces.

In practice, it’s about creating a short break for structured interaction after each chunk of content and allowing your participants to think about and respond to your talk.

There are various tech-based and non-tech-based interactive activities and facilitation techniques you can leverage, but more on that later.

Let’s take a closer look at how conversational presentation differs from a traditional presentation format.

Traditional presentation

  • Speaker talks one-way with minimal breaks
  • Participants are locked in to listen passively
  • Speaker questions are rhetorical and don’t invite participation
  • When participants’ attention shifts, it is rarely regained
  • Participant-to-participant discussions are not created

Conversational presentation

  • Speaker talks with frequent breaks to receive feedback from the audience
  • Participants are encouraged to participate and share their views
  • Speaker questions are responded to by show of hands or voting on live polls
  • As attention drops, the speaker uses an interactive activity to regain it
  • Speaker creates a space for people to have a discussion

Who is Conversational Presenting for?

You can make use of Conversational Presenting in various different situations.

You may be an educator, looking to maintain your students’ attention. Or, you may be a professional speaker, whose goal is to connect with your audience and make your speech more powerful.

Let’s break down the four main use cases and see to what end you can leverage Conversational Presenting strategies.

1. Company meetings & Team meetings

If you’re a manager or a leader who runs meetings on a regular basis, you’ve surely contemplated ways to make sure your gatherings don’t make the infamous stats of ineffective meetings. See what Conversational Presenting can do for you:

Midway through, he also created a roundtable discussion on the topic ‘What do you think a venue focused on meetings will look like in 5 years?’, to get people to connect and share ideas.

It’s great to see you all, Thank you for coming here today.

3. Give your introduction: Introduce Yourself

How you introduce yourself during a presentation is important. There are many ways to introduce yourself. Here we will see some examples on how to introduce yourself in a presentation. First of all, give your introduction start from telling your name. You can show some casual attitude by telling your short name or nick name, and then tell the audience more about your background and what you do.

For example, a good way to start introducing yourself could be:

My name is Louis Taylor, friends call me Lee sometimes.

Then introduce yourself professionally and give quite information about what you do and why are here today. For Example:

I am a software engineer by profession and working in ABC Corp. Today, I am here to provide you some exciting information about new technology, which is going to be very beneficial for you in future.

Another example of self-introduction speech:

For those of you who don’t know me already, my name is Louis Taylor, and I’m responsible for the software department at ABC Corp.

Or here is a simplified example of a good introduction for presentation in which we try to get the audience’s attention over the screen where you are presenting the content of your PowerPoint or Google Slides presentation.

As you can see on the screen, our topic today is…

5. Signpost

Put all your information in front of them and then put your proposal and its related information and key point by which you can implement and utilize that idea effectively. Now let collect these points to make a summary and concise illustration. Here is an example of presentation starting speech that you can use:

“Good afternoon every one, it’s great to see you all here, thank you for coming. My name is Louis Taylor, friends call me Lee sometimes. I am a software engineer by profession and working with ABC Ltd. Today we are here to know about new software so that we can take most of it. Firstly, we will look how it work, next we will discuss where can we use it, then we will learn what are its advantages and finally we will discuss what precautions are required to kept in mind while implementing it.”

6. Creating an Emotional Connection in Your Opening Speech

An effective opening speech is not just about presenting information or stating facts; it’s about forging an emotional connection with your audience. Building this connection can make your presentation more engaging, relatable, and memorable. Here are some strategies to achieve this:

Storytelling: One of the most powerful ways to establish an emotional connection is through storytelling. Sharing a personal anecdote or a relevant story can evoke emotions and draw your audience into your presentation. Make sure your story aligns with the overall theme of your presentation and adds value to your message.

Example of speech opening:

“Good morning, everyone. When I was a little boy, I used to watch my grandfather work tirelessly on his old typewriter. The clacking of the keys was a lullaby that lulled me into dreams of creating something impactful. Today, I am here to talk about the evolution of technology and its effect on communication, from typewriters of old to the smartphones of today.”

Relatability: Find common ground with your audience. This could be based on shared experiences, values, or aspirations. Doing so helps to humanize you, making it easier for your audience to relate to your message.

“Like many of you, I too struggle with maintaining a work-life balance in this fast-paced digital world. Today, I’ll share some strategies I’ve discovered that have significantly improved my quality of life.”

5 Ways to Create Audience Participation in Presentations

How many presentations have you attended that could have been delivered more effectively as an email?

You know the drill.

The speaker unleashes a tidal wave of PowerPoint slides with graphs and charts going every which way.  It’s hard to pay attention. They rarely ask questions or solicit feedback to involve the audience.  To add insult to injury many speakers will read the slides.

That’s bad. Really bad. Because the world has changed, and so have your audiences.

Not including time for audience engagement in your events and presentations might have worked in the past, but today’s audiences have higher expectations of being involved with learning and interacting.  So, you need to make the time!  Just consider how audiences have become more hands-on in reaction to major recent changes:

20 years ago – Internet searches and YouTube videos :

About 20 years ago Amazon.com was created, kind of when the Internet got really popular. Today, when my friends or my brother and I have an argument about who’s the best sports athlete we don’t just guess – we Google search it to see who is right.  And, we Google it on our smart phones. You probably do that, too.  And when I need to fix the dishwasher, rather than call a plumber, I go on YouTube to find videos. You probably do that, too, and so do your audiences . Do-it-yourself videos have changed your attendees’ behavior.

10 years ago – Mobile/Social enables content creation, sharing, collaboration and critiquing :

When the iPhone came out about 10 years ago that really started a social mobile revolution. Now, where I live in Minneapolis Minnesota, over 85% of the people have smartphones! That means 85% of the people are content creators, because the phone in their pocket is a tool for creating content and sharing that content. They don’t need anything else. They have the tools and experience to create content and share or critique it or collaborate with others about it.

Today – More people with advanced education :

In the United States there are more college and master’s degrees per person than ever before. In the last 20 years the number of U.S. master’s degrees has more than doubled.  And the number of college degrees per capita went up over 40 percent.  The number of secondary degrees is the highest ever.  That means your audience is more educated, so you’ve got smart people in the room. With Audience Response Systems (ARS) you have a way to Google them and get them involved in what you’re trying to do, rather than force them to just sit and listen.

If you think that you don’t have time in your program, you better make time! Because your audiences have the tools to figure out what the answers are to their problems and go solve them.  You’re better off using that audience collectively, engaging them to create something greater, instead of just having a speaker and leaving all that brainpower and willingness left fallow.

So, you don’t have to be the person who drowns your audience under waves of PowerPoint slides.  Instead, follow the suggestions below to get your audience involved and help them pay attention to you!

1. Schedule audience participation into your presentation

Yes, you need to plan audience interaction in your presentation.  I would recommend 10-20 minutes.

Why?  Because attendees stop paying attention after 10 minutes AND your presentation is probably the third one of the day. They can only take so many graphs and charts.

If you can get them to consider rhetorical questions, participate in small group conversations or ask you questions, then you will win.

2. Help people participate during your presentation

For audience interaction – speakers should inspire the audience to act.

When we looked at the reasons people attend conferences words like Try, Share, Meet and Discuss bubbled up to the top.

Along those same lines the key audience participation words are  ask, answer, poll, rank, vote, play, capture, collect, discuss, display, share .  Notice: “sit and listen” are not on the list.

These are the actions that you can inspire your audience to take.

3. Think about attendee engagement as “Googling the audience”

If your audience could answer questions for you as quickly as Google – what would you ask them?  What questions should they be asking themselves?

Here are 10 questions senior leaders should be asking but are afraid to ask .

4. Create a feedback loop

A feedback loop is a way to take all of the small engagement conversations and bring them back to you the speaker. This might be through live polling results, conversation recaps, Q&A, word cloud or some other technique.

For example, sometimes speakers ask the audience to discuss a ___________ that ____________ (example: discuss a leader that inspires you ).  Then, attendees form groups of 2-3 and talk for a few minutes. Where does that conversation go afterward? Is the information fed back to the audience? Or do they keep it themselves?  Savvy presenters will ask someone to share these conversations.

5. Consider Live Polling, Interactive Q&A or Interactive Trivia

If you have a large audience, then Live Polls, Interactive Q&A or Interactive Trivia would be a great way to get people involved with you.

If your event is not providing an event app, then you may consider an audience response app to scale up your audience participation and attendee engagement. There are several options available and most have a basic interactive Q&A and Live Polling feature. Solutions like SocialPoint include the Interactive Trivia .

Tips to make your introduction speech successful

1. consider tone and language use.

How are you going to build up audience interest if you do not seem motivated and interested to talk about him or her in the first place? While drafting your speech, try to consider the use of language. Is it going to be the same as every introductory speech or are you going to try and spice it up a bit? Remember that in this case, the audience matters as well. Learn on who you are talking to and how you make use of language to gauge your audience is up to you. 2. Check the length of your speech

New Study Employs VR to Aid Those with Fear of Public Speaking

Researchers from Brunel University London have used virtual reality to support people with speech anxiety and a fear of public speaking. A new application called PublicVR was uploaded to VR headsets to allow participants to deliver presentations in virtual reality boardrooms and auditoriums in front of an audience of 3D avatars. Messages would appear throughout the presentations praising participants and providing them with instant feedback about their pace and gaze.

The fear of public speaking is a social anxiety disorder also known as glossophobia. It is one of the world’s most common fears and affects 75% of the population. The disorder can affect people both physically and psychologically, resulting in a dry mouth, increased blood pressure, sweating and a fear of humiliation or embarrassment.

For this new study, researchers from Brunel University London and the University of Greenwich used Virtual Reality Exposure Therapy (VRET) – an emerging technology aimed at improving anxiety disorder symptoms – to support adults with self-reported public speaking anxiety. The intervention aimed to improve four specific non-verbal communication skills: peer anxiety, stage fear, lack of confidence and shyness.

Dr Damon Daylamani-Zad, a Senior Lecturer in Digital Media from Brunel University London, who worked on the study, said: ‘Through Virtual Reality Exposure Therapy, a patient can be gradually exposed to the scenario or environment they fear while being immersed in virtual reality.”

The VRET intervention took place at Brunel and Greenwich and involved participants aged between 19 and 25. Before the study, the participants all completed a questionnaire that determined their level of public speaking anxiety. Two groups of participants were identified from the data, those with moderate to high anxiety and those with low levels of anxiety.

On arrival to the intervention, each participant was given a laptop that contained five preloaded slides and notes on the same presentation topic, which was the Principles of EU Environmental Law. They were all given 10 minutes to familiarise themselves with the slides before delivering three 5-minute presentations in virtual reality.

The three presentations were delivered under three different virtual conditions that varied in layout (auditorium or boardroom), formality (determined by the audience’s dress and posture) and capacity (size of the audience). Once the VR headset was on, participants were immersed in virtual reality, which included a laptop and their five slides, which they could navigate using a VR remote controller.

The first condition was in an informal setting with a small audience (1-8 people); the second was in an informal setting with a medium audience (9-35 people); and the third was in a formal setting with a large audience (more than 35 people).

During the presentation, the participants could see a timer counting down their 5 minutes, and bold feedback messages would appear. “We were focussed on getting the participants to share their gaze and to look up and around,” explained Dr Daylamani-Zad. “If they became fixated on a specific area or corner, they would get a message to inform them that they had been looking in the same area for too long.

“We also focussed on pace and participants finishing in the time they had,” he added. “If participants did not look at the clock on the wall in front of them, it also meant that they were not looking at the audience, and they would get a message to look up.”

The audience also provided feedback to participants by changing their posture. The avatars would slouch in their chairs and turn their heads to show signs of boredom or intensely stare to show that they were engaged.

At the end of the intervention, participants completed another questionnaire to self-report their perceived anxiety level. Participants from the moderate to high anxiety group expressed that they felt more confident and less anxious as they progressed through the three presentation conditions.

The participants felt that the VR experience created a real sense of being in a real public speaking scenario and noted that the timer and messages helped them to focus on skills that they hadn’t considered before, helping to boost their confidence and overcome some of their anxiety.

Dr Daylamani-Zad believes that the intervention highlights the effectiveness of immediate or ‘live’ feedback during the training process. “In non-VR training conditions, people are often not able to receive similar actionable feedback in real time without interrupting the presentation flow,” he said.

“Our study demonstrates that VR offers live feedback that does not negatively impact the presentation flow, and it maintains participants’ involvement with the task at hand.”

Dr Daylamani-Zad believes that PublicVR could help anyone improve their public speaking skills, even those who are confident public speakers and have very low speech anxiety levels. “During the intervention, the group of participants who had low speech anxiety levels did not show as much improvement as the group with moderate to high anxiety levels, but they still showed improvements,” he said.

“I have been lecturing and public speaking for 20 years, but I still need to practice to get better at it, and practicing in a similar setting to the real setting is also far more beneficial.”

The digital media expert suggests that more sophisticated versions of PublicVR could be used to train people for interviews and pitches and to improve other social anxiety-related phobias, such as a fear of specific environments or places.
