Writing Strategy

When you write a formal letter:

–  Start with: Dear ( Mrs Whilte ), if you know the name of the person, or Dear Sir or Madam , if you do not.

–  You can include a subject line at the start, similar to the subject line of an email.

–  Write in paragraphs. One-sentence paragraphs are fine for opening or closing an application letter.

–  Do not use colloquial language or short form ( I’m, there’s , etc.)

–  Finish with Yours sincerely , if you used the person’s name at the start, or Yours faithfully , if you did not.

4. Read the Writing Strategy above and the job advertisement below. Write a letter applying for the job. Follow the paragraph plan below.

Learn what makes a good job covering/cover letter (with an example of one) and 13 phrases that you can use in your own. There is also a quiz at the end to make sure you know why and when to use these 13 phrases.

A job covering/cover letter is important

It may surprise you to hear this, but the job covering/cover letter (or email) that you send when applying for a job is probably more important than your CV/resume in deciding whether you'll get a job interview or not.

Although you must make sure that your send a good CV/resume when applying for a job, whether your potential employer will ever look at it often depends on how good the job covering/cover letter you send with it is.

Why your job covering/cover letter is important

When companies advertise a vacancy, they'll receive lots of CVs/resumes (possibly hundreds). If they had to read each CV/resume they received, it would take them a very long time. So to help them choose the best candidates quicker, they often use the job cover/covering email to decide whose CV/resume to read and whose not to.

And they can use the job covering/cover letter to make this decision, because apart from it saying what job the person is applying for, it is basically a summary of the most important information from the CV/resume.

What makes a good one

So now you know why a job covering/cover letter is important, how do you write a good one? The answer is very simple, think from the perspective of the person/people you are sending it to. If you were in their position and you were going to be using it to decide whether to read your CV/resume or not, what would you be wanting to see when you read it?

In my opinion, for a job covering/cover letter to work (and get you an interview), it needs to:

  • Contain all the information which an employer needs to know or is looking for.
  • Only include information on your skills and experience which is relevant for the job you are applying for.
  • Match what you've written on your CV/resume.
  • Be structured so that it is both easy to read and the person can easily find the information they are looking for.
  • Be modified for each job you use it for.

In addition to both what you write about and how you structure it, the vocabulary which you use in it is important. You are selling yourself as the right candidate to the person or people reading it, so you need to use vocabulary and phrases which makes you sound professional in it. And you do this by using both formal vocabulary (e.g. oversee, conduct etc...) and vocabulary which is polite.

Fortunately, there are a lot of set professional sounding phrases and expressions which you can use in your own job covering/cover letter (which you'll see below). But before you use them, you need to be 100% sure that you are using them correctly.

Now you know the theory of what makes a good covering letter/email, use this in the exercise below. This exercise contains an example of a good job covering/cover letter and a quiz which is designed to help you create your own one more easily and both understand and remember the vocabulary which you should use in them.

Exercise & Example:

Read the following covering/cover letter from Juan Cruz for a sales executive position/job with a large multinational engineering company.

From the context, try to guess what the meaning and purpose of the words/phrases in bold are. Then do the quiz at the end to check if you are right.

Dear Sir/Madam,

I am writing in response to the advertisement for the position of a sales executive in the Madrid office of your company. I am confident that I would be an excellent candidate for both this position and for working within a company such as your own which has a reputation for excellence and innovation.

Goal-Orientated - Surpassing my annual sales targets every year of my professional career.
Adaptable - Having the ability to quickly learn and use new techniques, methodologies, strategies when selling a variety of different products.
Able to speak fluently in English - I have the Cambridge Advanced Certificate in English and use English on a daily basis in my current position.

I have extensive experience of working as a sales executive for two large multinational companies, Almagro Construction SA and Telefonica SA. This article provides information on how to write a letter of application and what it consists of.  Although its content is mainly aimed at Cambridge exams , it can also be used for other purposes of learning English and writing a real letters of application.

Letter of application is always formal in style unless the question explicitly states otherwise. Its purpose is to propose  a candidate and outline his suitability, for a particular position. Description (of a person’s character and strengths), explanation and justification are important functions in a letter of application.

If you do not know the name of the person you are writing to, use this. The following is a list of letter salutation examples that are appropriate for letters of application.

2. The Introductory Paragraph

Begin by stating the job for which you are applying. Briefly mention how your skills and experience match the company and/or position; this will give the employer a preview of the rest of your letter.

3. The next paragraphs (the body)

In the following paragraphs, explain why you are interested in the job and why you make an excellent candidate for the position. Mention specific qualifications listed in the job posting and explain how you meet those qualifications.

“Yours sincerely” or “Yours faithfully”?

“Yours sincerely” is typically employed in English when the recipient is addressed by name (e.g. “Dear John”) and is known to the sender to some degree, whereas “Yours faithfully” is used when the recipient is not addressed by name (i.e., the recipient is addressed by a phrase such as “Dear Sir/Madam”)

I am writing to reply to your advertisement for a tour guide in The Tokyo Mini Times on 13th January.

I have always been interested in working with tourists and this is one of the main reasons why I am applying for this job. I actually have some experience of guiding foreign people around the town as a volunteer. Therefore, the city council sometimes asks me to take people to some historical places and explain about the background. Once I organised  a sightseeing tour that thirty people took part in. 1. It's a good idea to write in capital letters so it’s easy to read, except for your email address and signature.

2. For dates, in the UK we usually write them DD/MM/YYYY (day-month-year). So, for 1 September 2018 you write 01/09/2018. In the United States it is MM/DD/YYYY so you write 09/01/2018.

Hello, the last form i filled was an application for a job

The last form I filled in is produce survey. My manager want to know our product have matching with customer's demands so that he make the form and ask us to evaluate about color, design, style, pattern.... We have to make that twice a year because we have two season to produce items for customer.

People usually fill in form for something as library card or something that they need. But I'm different to them. I make an applicetion for fun=))). I haven't needed to borrow any books or any things because my mother is a staff in a big library so I don't have to write anyword to borrow a book. Only I was just answer my mother about how long I will use it and my mother'll fill the applicetion form instead of me. But, perhaps i haven't fill in it, I don't know how it was. Applying for a job/Letter of Application

The letter of application is usually the first direct contact between you and your future employer, so make sure it is well-written and presented.

Also called the cover letter , it should follow the rules of Formal Letter-Writing and it should normally contain 3-4 paragraphs and be no longer than one page. If there are any mistakes it will stand out negatively, so give it to your teacher or career counselor to proof-read it.

  • Make notes what should be included in a letter of application.
  • Write a short text about your strenghts, skills and successes (about 80 words).

Write an engaging first paragraph. Employers read a lot of cover letters, and most of the time a hiring manager will scan them quickly deciding if your letter goes in the trash or the “keep” pile.

When you write a formal letter:

–  Start with: Dear ( Mrs Whilte ), if you know the name of the person, or Dear Sir or Madam , if you do not.

–  You can include a subject line at the start, similar to the subject line of an email.

–  Write in paragraphs. One-sentence paragraphs are fine for opening or closing an application letter.

–  Do not use colloquial language or short form ( I’m, there’s , etc.)

–  Finish with Yours sincerely , if you used the person’s name at the start, or Yours faithfully , if you did not.
