Chicago-Style Citation Quick Guide

Chicago-style source citations come in two varieties: (1) notes and bibliography and (2) author-date. If you already know which system to use, follow one of the links above to see sample citations for a variety of common sources. If you are unsure about which system to use, read on.

Notes and Bibliography or Author-Date?

The notes and bibliography system is preferred by many working in the humanities—including literature, history, and the arts. In this system, sources are cited in numbered footnotes or endnotes. Each note corresponds to a raised (superscript) number in the text. Sources are also usually listed in a separate bibliography. The notes and bibliography system can accommodate a wide variety of sources, including unusual ones that don’t fit neatly into the author-date system.

The author-date system is more common in the sciences and social sciences. In this system, sources are briefly cited in the text, usually in parentheses, by author’s last name and year of publication. Each in-text citation matches up with an entry in a reference list, where full bibliographic information is provided.

Aside from the use of numbered notes versus parenthetical references in the text, the two systems share a similar style. Follow the links at the top of this page to see examples of some of the more common source types cited in both systems.

Citing Sources with Multiple Authors

Website dates: copyright, last modified/updated, accessed, what date should i use.

You only need to include one date when citing a web page. See the options below.

Best option: Use the “last modified” date. Sometimes this is called “last updated” or “last edited.”

Second-best option: Sometimes there is no “last modified” date. In this case, you can use the copyright date.

Third-best option: Sometimes there is no date at all on the web page. In this case, state the “Accessed” date. The "Accessed" date is the date that you visited the web page. When you are using this option you need to state the word "Accessed" before the date. 

Example: Accessed January 17, 2022.

It can sometimes be difficult to find out who the author of a website is. Remember that an author can be a corporation or group, not only a specific person. Author information can sometimes be found under an "About" section on a website.

If there is no known author, start the citation with the title of the website instead.

The owner or sponsor of a website is considered to be the publisher. This information can often be found in a copyright notice at the bottom of the home page or on a page that gives information about the site. 

The best date to use for a website is the date that the content was last updated. Otherwise look for a copyright or original publication date. Unfortunately this information may not be provided or may be hard to find. Often date information is put on the bottom of the pages of a website.

If you do not know the complete date, put as much information as you can find. For example you may have a year but no month or day.

Access Date

If the website does not show a copyright date or the date it was last modified/updated, you should include the date you last accessed the site.

Add (blog) after the title of the blog unless the word  blog  is already included in the title.

 Time stamp refers to the time the article was last modified. The date and time the article was last modified appear at the bottom of each Wikipedia article.

Keep in mind that Wikipedia may not be considered an acceptable source for a college or university assignment. Be sure to evaluate the content carefully and check with your instructor if you can use it as a source in your assignment.

Content on websites will either have a copyright date, a date last modified or updated, or have no date. If there is no date, you must include the date you accessed the website.

APA 7 In-text citation guide

In-text citations are required when you use someone else's ideas, theories or research in your paper.

Quick Guide

Examples: (choose depending if author and/or date is mentioned in text)

Quotation :

  • "The bones were very fragile" (Cole, 2019, p. 13).
  • Cole (2019) found that "The bones were very fragile" (p. 33).
  • In 2019, Cole found that "The bones were very fragile" (p. 33).

Paraphrase :

  • The bones broke easily because they were porous (Cole, 2011).
  • Cole (2011) discovered that the bones broke easily.
  • In 2011, Cole found that the bones were easily broken (p. 33).

Note: APA style encourages the inclusion of page numbers for paraphrases, but it is not mandatory. Include page or paragraph numbers if it will help reader find the information.

No authors : Use the title in place of author. Shorten title if needed. Use double quotation marks for title of an article, a chapter, or a web page. Use italics for title of a periodical, a book, a brochure or a report.

  • the observations found ("Arctic Voyage," 2014)
  • the book Vitamin Discoveries (2013)

Two authors : Within the text use the word  and .  If the authors' names are within parentheses use the  &  symbol.

  • Cole and Dough (1998) argued ...

Three or more authors:   Include only the last name of the first author followed by "et al."

Spell out the name in full the first time and abbreviate subsequent times only if abbreviation is well known.

  • First time: American Psychological Association (2020) explained...
  • Second time: APA (2020) proved ...

When quoting always provide author, year and specific page citation or paragraph number for nonpaginated material.

If the quotation is less than 40 words incorporate it into the text and enclose the quotation with quotation marks. Cite the source immediately after the close of the quotation marks.

If the authors are named in the text, they do not have to be used in the citation.

In fact, "a neurosis is characterized by anxiety" (Kristen & Warb, 2012, p. 157).

"A neurosis is characterized by anxiety," according to Kristen and Warb's (2012, p. 157) longitudinal study.

If the quotation is over 40 words, you must indent the entire quotation and start the quotation on a new line. No quotation marks are required. Cite the quoted source after the final punctuation mark.

Alberta is occasionally divided into two regions, Northern Alberta and Southern Alberta. The majority of Alberta's population is located in large urban cities, mostly located in the South. Alberta is Canada's most populous province of all three Canadian Prairie provinces. Edmonton is the Capital of Alberta. (Hern, 1996, p. 22)

APA style encourages the inclusion of page numbers, but it is not mandatory. Include page or paragraph numbers if it will help reader find the information.

If the document does not contain page numbers, include paragraph numbers.

  • (Reiton, 2003, para. 3).   

If neither is available omit page and paragraph numbers.  Do not count paragraph numbers.  

When paraphrasing from multiple sources, include all authors name in parentheses in alphabetical order.

  • (Cole, 2006; Mann & Arthur, 2011; Zigmung, 2000).

In-Text Citations Parenthetical Citations

In-text citations are called parenthetical references in MLA. This involves placing information about the source in parentheses after a quote or a paraphrase. The information in the parenthetical references must match the corresponding information in the list of works cited.

The purpose of parenthetical references is to indicate to readers not only what works you used, but what you used from each source and where in the source you found the material. This can be done by inserting a parenthetical reference in your text at the spot where you have used the source's ideas or words.

You should keep parenthetical references as brief and as few as clarity and accuracy permit.

General Guidelines

  • The Soviets were surrounded by enemies (Waters 119).
  • Waters argues that the Soviets were surrounded by enemies (119).

Authors – Identification of source

  • (Natl. Research Council 15)
  • Do not use abbreviations such as ed. or trans.
  • ("The evolving internet")

  • (Feder, The Birth of a Nation 124)

Location of passage within source

  • give relevant page number if available
  • give volume and page number in a multivolume work
  • if citing entire work omit page numbers
  • (Louis par. 20)
  • film, television, broadcasts cannot be cited by numbers

Placement of parenthetical reference in text

  • Cole found that "The bones were very fragile" (33-34).

  • In Chicago style, footnotes or endnotes are used to reference pieces of work in the text.
  • To cite from a source a superscript number is placed after a quote or a paraphrase.
  • Citation numbers should appear in sequential order.
  • Each number then corresponds to a citation, a footnote or to an endnote.
  • Endnotes must appear on an endnotes page. The page should be titled Notes (centered at top). This page should appear immediately before the bibliography page.
  • Footnotes must appear at the bottom of the page that they are referred to.  

Example:   Cole found that "The bones were very fragile" (33-34). 1

Each superscript then refers to a numbered citation in the footnotes or endnotes.

Footnotes/endnotes:

The first time the in-text reference is cited you must include, author's first name, author's last name, title, place of publication, publisher name, year and referenced pages. e.g.

1. James Smith, The first and last war , (New York, Hamilton, 2003), 2.

If the citation has already been cited it may be shortened to author's last name, shortened title, and page referenced number. e.g.

2. Smith, The first , 220-221.

If the citation has been referenced immediately prior, the note may be shortened even further to ibid with the page number. e.g.

3. Ibid., 786.

For each author-date citation in the text, there must be a corresponding entry in the reference list under the same name and date.

An author-date citation in running text or at the end of a block quotation consists of the last (family) name of the author, followed by the year of publication of the work in question. In this context, author may refer not only to one or more authors or an institution but also to one or more editors, translators, or compilers. No punctuation appears between author and date. Abbreviations such as ed. or trans. are omitted.

When a specific page, section, equation, or other division of the work is cited, it follows the date, preceded by a comma. When a volume as a whole is referred to, without a page number, vol. is used. For volume plus page, only a colon is needed. The n in the Fischer and Siple example below indicates "note" (see 14.164 ). The last example shows how one might cite a section of a work that contains no page or section numbers or other numerical signposts—the case for some electronic documents (see 15.8 ).

Chicago Style - notes/bibliography and author/date formats

The Chicago Manual of Style makes this general statement about the purpose of citations:

Regardless of the convention being followed, source citations must always provide sufficient information either to lead readers directly to the sources consulted or, for materials that may not be readily available, to enable readers to positively identify them, regardless of whether the sources are published or unpublished or in printed or electronic form. (14:1)

Chicago style includes two formats: the note/bibliography and the author/date formats. The differences between these two forms boil down to what information one includes in in-text citations, the order of elements in the resource list, and other small divergences of detail. 

The note/bibliography format is most frequently used in the study of history, while the author/date format is occasionally used in the physical sciences. Both formats are described on this page. 

  • The Chicago Manual of Style, 17th edition online The online CMOS offers full guidance for researchers, including style and usage guidelines, formatting guidelines, and information of when and how to cite research materials. Chapters 14 and 15 cover how to format citations in the note/bibliography and the author/date styles, respectively.

The Chicago notes and bibliography style uses notes, either footnotes or endnotes, as well as a bibliography page at the end of the document. The advantage of this form of Chicago style is its flexibility, allowing not only for commentary on sources cited but also for the relatively straightforward integration of unusual types of sources. 

This tab offers specific guidance on citing materials potentially found in the CSWR's archival collections. For information on using Chicago style citations in general, including formatting notes, the use of "op. cit.," and other details consult Chapter 14 for the Chicago Manual of Style. 

The CSWR requests that patrons using collections include, at minimum, the following information in their citations: 

  • Description and date of item (approximate dates ok)
  • Box and folder, or item number
  • Name and identifier (MSS-123-BC, PICT-000-653, etc.) of the collection
  • Center for Southwest Research, University Libraries, University of New Mexico

Unlike the notes and bibliography system of Chicago-style citations, the author-date system uses parenthetical references and a corresponding reference list. Aside from this primary difference, the Chicago Manual of Style offers broadly similar guidance for citations in note and bibliography and author-date style. Note: placement of the year of a source's publication in the author-date style reference list differs from its placement in the notes and bibliography style bibliography. 

The author-date system is less flexible than the note and bibliography system, and is best used when the sources referred to consist of published materials like books or journal articles. The note and bibliography style is recommended for citing sources such as manuscript collections, but the author-date format is included in this guide as a reference.

What is an in-text citation and how is it different from the Reference List citation?

APA style uses a two-part system, where each source used will have an in-text citation and a reference list citation. The in-text citation appears within the narrative of your work and is a shortened version of the reference list citation, which appears after the end of the narrative. The in-text and reference list citation will both include the author's name and the date published. See APA website for a detailed discussion of in-text citations. 

When should I use an in-text citation in my writing?

Use an in-text citation when you summarize, paraphrase, or directly quote a source. If it isn't your original idea, cite it. In-text citations are generally placed at the end of a sentence.

What information is included in the in-text citation?

In-text citations include the author's last name(s) and the year of publication. It also includes the page number if citing a direct quotation. If the author's name and the year are included in the sentence this is called a "narrative citation" and no in-text citation in parentheses is needed.

In what order do I put the quotation mark, parentheses and period?

In-text citations are generally placed at the end of a sentence. The period at the end of the sentence comes after the closing parenthesis. If there is a direct quotation, the quotation mark goes before the parentheses. For example:

  • (Smith, 1972).
  • "...in treatment" (Smith, 1972, p. 81).

However, if the in-text citation follows a block quote, the period goes at the end of the sentence instead, before the parentheses of the in-text citation.

How do I cite something that the source quoted? That is, a second-hand or secondary source?

Generally it is good practice to track down the original source, if possible, and quote it directly. If this isn't an option, use the phrase "as cited in". For example:

  • Brown (as cited in Jones, 2010) wrote that...

(Luna, 2020)

According to Luna... (2020).

Two authors

(Salas & D'Agostino, 2020)

According to Salas and D'Agostino... (2020).

Three or more authors

  • Use the last name of the first author, then the phrase "et al." to indicate that there are more authors found in the reference list citation.

(Martin et al., 2020)

According to Martin et al.,... (2020).

Group author

  • The first time you include an in-text citation for a group author, write out the whole name. If the group's name is very long, also include an abbreviation in brackets right after. When you cite it after that, you may just use the abbreviation instead of writing out the whole name.

(National Institute of Mental Health [NIMH], 2020)

According to the National Institute of Mental Health [NIMH]... (2020).

(NIMH, 2020)

  • If the source has no author given in your reference list citation, use a shortened form of the title.

("Super," 2017, para. 5)

  • A source with no date is handled in the same way as in the reference list citation, with "n.d." 

(Trask, n.d.)

Personal communications

  • Sources that are from personal communications or other unpublished communication not available to your audience do not need a reference list citation, but do still need an in-text citation.
  • Give the first initial and last name of the person you communicated with.

"I was stationed at Pearl Harbor" (J. Rivera, personal communication, March 24, 2019).

Direct quotations

  • When including a direct quotation include the author and year as usual. After the year, include a page number (p. 82), a paragraph number (para. 5), or a timestamp for audio or video recording (4:30)

Bede and Xing found that "the most commonly prescribed treatment is often ineffective" (2015, p. 10).

Armed thieves carry out 4 robberies on Northwest Side within 1 hour, Chicago police say: VIDEO

CHICAGO (WLS) -- Chicago police are looking for a group of armed thieves who carried out four robberies on the Northwest Side within an hour on Saturday, April 27.

The robberies happened between 5:40 a.m. and 6:30 a.m. in the city's Albany Park and Hermosa neighborhoods, police said.

Police said in each robbery, three to five suspects get out of a dark vehicle and approach a victim, who are walking or seated in their vehicle. The suspects point semi-automatic handguns at the victim while demanding their wallets or phones.

One robbery happened as a victim was leaving an ATM. The suspects took a cash register from a convenience store in another incident.

The robberies happened at the following times and locations:

  • 4100 block of North Kedzie Ave at about 5:40 a.m.
  • 4200 block of North Bernard Street at about 5:50 a.m.
  • 2900 block of West Montrose Avenue at about 6:00 a.m.
  • 4500 block of West North Avenue at about 6:30 a.m.

The suspects are described as males with slim builds between 15 and 25 years old, police said. They wear all black clothing and black ski masks. They are between 5-foot-4 and 6 feet tall.

Police asked anyone with information to contact them at 312-746-7394.

US Department of Labor finds Chicago-area medical glass manufacturer again ignoring machine safety procedures, issues repeat violations

CHICAGO HEIGHTS, IL – A follow-up workplace safety inspection at a metro Chicago manufacturer of medical glass bottles and vials found the company continues to fail in its obligation to protect workers by training them in machine safety procedures.

The U.S. Department of Labor’s Occupational Safety and Health Administration returned to Gerresheimer Glass Inc., in Chicago Heights on Jan. 31, 2024, to verify compliance after inspections in October and December 2022 found workers exposed to machine hazards. 

OSHA proposed $145,415 in penalties after citing the company with one repeat violation and four serious violations for the following:

  • Not training each authorized employee performing and/or assisting with service and maintenance tasks, including mold changes on lines and bottle machines. 
  • Failing to follow  machine specific energy control procedures during a mold change.
  • Exposing workers to an unguarded chain and sprocket on a crusher machine.
  • Allowing employees to operate forklifts without required training.
  • Exposing workers to trip hazards from floor panels in poor repair. 

“Ignoring OSHA and industry-recommended machine safety procedures is a leading cause of injuries in the manufacturing industry,” explained  OSHA Chicago South Area Director James Martineck in Tinley Park. “Workers must be trained in specific safety procedures for each machine they operate or service and they should never be exposed to operating machine parts. Employers are responsible for ensuring safe working conditions for all employees in their facilities.”

OSHA provides information on lockout/tagout and other machine safety procedures for use by employers to understand how to protect workers from potential safety and health hazards.

Based in Germany, Gerresheimer has 35 production sites in 16 countries. The company has 15 business days from receipt of its citations and penalties to comply, request an informal conference with OSHA’s area director or contest the findings before the independent Occupational Safety and Health Review Commission .

Eamonn Walker Departs ‘Chicago Fire’ as Series Regular After 12 Seasons

*After 12 seasons portraying Wallace Boden on the hit NBC series “Chicago Fire,” Eamonn Walker is stepping back as a series regular. 

Deadline reports that although the Boden character remains integral to the show, Walker is anticipated to make future appearances in a recurring capacity. Fans will gain insight into the future of Boden’s storyline in the Season 12 finale, “Never Say Goodbye,” which is scheduled to air on May 22.

“Chicago Fire,” executive produced by Dick Wolf, the man behind the “Law & Order” franchise, follows firefighters and paramedics at the firehouse of Engine 51. The show quickly became a hit when it premiered in 2012.

“It doesn’t matter where I go now because ‘Chicago Fire’ is in almost every single country in the world, Walker said in 2017 during a press event. “And so most people go, ‘Hey Chief!’ wherever I go.”

When the cast celebrated the 100th episode in December 2016 with a show appropriately titled “One Hundred,” Walker said he’s “very-very proud” of the crossover shows (“Chicago Fire,” “Chicago Med,” and “Chicago P.D.”) and noted “the precedent that was set with this cast and crew.”

“The formula that they created — that we put out — they repeated and now created a world (and) therefore created American television history. How can you not be proud to be a part of that? I don’t know where it’s going to end up, but I’m really glad that we’re doing ‘Fire’ cause I’m honored to play a firefighter because I know the job that they do,” he said at the time.

“I try to make all my characters completely different,” Walker told EUR’s Ny MaGee during NBC Chicago Day in 2017.
