How to Write a Winning Statement of Purpose for Scholarship (Examples)

The Statement of Purpose (often called “letter of intent” or “application essay” or “graduate statement”) is one of the most important components of your application process.

Statement of Purpose provides the admissions committee with information that allows them to become more acquainted with who you are; what you want to study at graduate school and why; your aptitude and motivation for graduate study in your area of specialization, including your preparation for this field of study, your academic plans or research interests in your chosen area of study, and your future career goals.

A thoughtful and well-written statement often makes the difference between admission and denial, irrespective of other qualifications. But applicants frequently fail to do justice to themselves in statements of purpose. In what follows, I offer a few tips to help you to make your best effort. How to make your Statement of Purpose for Scholarship stand out from others?

Most ‘statements of purpose’ or ‘letters of intent’ are fine. However, unless you have a funded project and a supervisor lined up, or the rest of your application is impeccable and remarkable, then put substantive efforts into this letter. It really is your only chance to present some personal insights and life beyond the dry numbers provided by your transcripts, GREs, and other such documents.

Nowhere else can you directly demonstrate personality, motivation, maturity, interest, enthusiasm, diligence, commitment, and so on. The importance of this letter and its personal attributes become amplified in an application that is in any way ‘marginal’, or that has no specific faculty supporting or justifying it. Your letter must then be even more able to stand out, and be noticed, on its own. Most reviewers are unfortunately (and perhaps understandably) not going to work hard at finding reasons to accept you.

Statements of purpose is also your opportunity to account for anything about your ‘data’ that would benefit from further explanation. You can assist reviewers in their interpretations of your ‘record’ by highlighting your strongest and most relevant points, especially any not well covered elsewhere in your application.

Similarly, you can work to prevent reviewers’ misinterpretations or oversimplifications by being candid about any minor shortcomings and by indicating how you are, or will be, addressing those. Basically, be clever in, and work at, presenting yourself favorably, but also always remain honest and never promote yourself beyond reasonable reality. Remember that there is the proverbial fine line between saying too much and not saying enough.

What is the difference between Personal Statement and Statement of Purpose?

One way to think about Personal Statement is that, in general, undergraduate programs are interested in you as a person and what you may offer to enrich their overall university community.

Statement of Purpose describes your “brain,” the scientist you have become and will grow to be. You are now the scientist and any personal information should be related to your scientific approach and how you will enrich the scientific world.

What is the difference between SOP for Doctoral and Master’s Programs?

A statement of purpose for a doctoral program is different than one for a master’s program. A master’s program is not inferior to a doctoral program; it is merely different. Therefore, it would be wrong to infer that standards for a statement of purpose in an application to a doctoral program are higher than the standards applicable to master’s applications. But the standards are certainly different.

For example, in a statement of application to master’s in the Social Sciences, an excellent statement of purpose might or might not indicate any particular research topic that the student wishes to pursue in the program. Being unclear about these matters is not inappropriate when one is applying to a broadly focused master’s program. But being unclear about them would certainly be a liability in a doctoral application.

Academic programs are more intensively specialized at the doctoral level, and a corresponding degree of specialization and precision in the way, applicants specify their academic purposes is reasonably expected. Evidence of your familiarity with the educational research currently under way at the university is probably a good thing to see in any statement of purpose, even at the master’s level.

But in a doctoral application, it is extremely important to show that your interests converge closely with the current research of faculty who work in the program to which you are applying. Therefore the doctoral applicants should certainly do this, and they don’t, they will forfeit an important competitive advantage to those who take care of the above described points.

Tips on Writing an Impressive Statement of Purpose for Scholarship:

(1)  do your homework:.

  • Browse through the websites of the schools/departments/programs of interest to you. Obtain brochures and booklets and read through them carefully. Highlight the aspects of the programs that appeal to you.
  • Read up on the research interests and projects of the faculty in the schools/departments/programs. Read publications from a faculty of interest.
  • Browse through recent articles from the research field of interest and try to get a general understanding of how the field developed and what are its current problems and challenges.

(2)  Reflect and Brainstorm (on paper):

  • What and when were the major moments in your life that have led you to your current research interest(s) and school/department/program?
  • What or who influenced your decision or interest (i.e. role models)? What quality about them appealed to you?
  • What personal characteristics (for example, integrity, compassion, and/or persistence) do you possess that would improve your prospects for success in the field or profession? Is there a way to demonstrate or document that you have these characteristics?
  • What skills (for example, leadership, communicative, analytical) do you possess?
  • Why did you choose your research topic(s)/field/school?
  • Why did you choose your undergraduate major?
  • Where do you see yourself in 10 years?
  • What do you hope to accomplish?
  • What drives you? What motivates you?

(3)  Outline your Statement of Purpose:

  • From the results of Stage II, determine a central theme/topic that stands out or dominates your reflections and brainstorm.
  • Concentrate on your life experiences and give specific examples.
  • Put down only those things that excite you
  • Do not make things up!
  • What aspects of the school/department/program appeals to you?
  • What are your research interest(s)?
  • How did you become interested in your current research topic/area?
  • How did you prepare or are preparing to address the issues in this research area/topic (i.e. research experiences, courses, etc.)?
  • What are your future goals for graduate school (i.e. Ph.D.)?
  • What are your career goals (i.e. professorship)?
  • What characteristics of the school/department/program can help you accomplish your goals?
  • What positive aspects do you bring to the school/department/program?

(4)  Write Draft of Statement of Purpose:

When writing your statement of purpose:

  • Be Yourself. Be mindful that you are seeking a program that is a good match for you. Do not disguise who you are or second-guess what the committee is looking for. Always use positive language when referring to yourself. What the admissions committee will read between the lines: self-motivation, competence, potential as a graduate student.
  • Write a Strong Opening and closing paragraph. You want to stand out from the multitude of other applicants. Write an opening that grabs the reader’s attention.
  • Use transition words, sentences and paragraphs. Your statement must read smoothly.
  • Frame the points you wish to make in a positive light. You do not want to reveal weaknesses in your personality.
  • Describe an important experience that is relevant to the program of interest. It is usually good to place this portion of the essay towards the opening. This experience may have contributed to the person that you are today. Make a point to note that in your writing.
  • Demonstrate everything by example; don’t say directly that you’re a persistent person, show it.
  • Be Specific, Concise, Honest and Unique.
  • Describe why you are a good match for their program. Tell the committee about your skills and interest in that particular program. Be specific and thoughtful.
  • Talk about your goals. Explain how a graduate degree will help you accomplish those goals.
  • Explain any shortcomings in your background. (i.e. You had a poor GPA during your freshman year in college. Put a positive spin on this explanation and illuminate how your GPA has improved as you matured.)
  • Thank the admissions committee for their time at the end of your statement of purpose.
  • Unless the specific program says otherwise, be concise; an ideal essay should say everything it needs to with brevity. Approximately 500 to 1000 well-selected words (1-2 single space pages in 12 point font) is better than more words with less clarity and poor organization.

(5)  Do not Stress:

If you find that you are still having difficulties completing your Statement of Purpose, do not stress. Take a few days and put this task aside. You will find that other activities will jog your mind and creativity, providing you with ideas and content to incorporate into your paper.

A Statement of Purpose requires time and thoughtfulness. You want to sell yourself to the committee and in order to do that you need to put your best foot forward. Be honest. Most importantly, be yourself. Keep working on the statement of purpose, even after you have already sent it to school(s) with earlier deadline(s).

(6)  Ask for Critique, Revise and Edit:

  • When you are finished with your draft statement of purpose, read it out loud to yourself and make corrections.
  • Ask friends, colleagues and professors to read your edited draft. Taking their comments into consideration, revise and edit your draft.

Things to Avoid When Writing a Statement of Purpose for Scholarship:

  • Errors, misspellings, poor English.
  • Submit a handwritten essay (unless requested).
  • “Talk down” to your audience. Your audience does not need to have basic terminology defined for them. Be mindful that they are already experts in the program that you are applying for.
  • Be too personal in your essay. Do not focus on deep personal problems or excuses for past performances or experiences.
  • Be repetitive or too general in your statements.
  • Criticize other school programs.
  • Use uncommon words that look like they came from a thesaurus.
  • Write an autobiography. You want to give the committee a sense of who you are but they do not want to hear about your entire life story. Be specific and mindful of your personal details.
  • Submit untruthful or irrelevant information in your essay.
  • You do not want to copy and submit another student’s letter of intent.
  • Be overly informal.

How to organize Statement of Purpose for Scholarship?

  • A “hook” that demonstrates your passion for the field
  • Segue to your background in the field
  • Specific classes you have taken, given by name
  • Specific professors you have had, especially if well-known in that field
  • Extracurricular activities in the field
  • Publications or other professional accomplishments in the field (perhaps conference presentations or public readings)
  • Explanations about problems in background (if needed)
  • Mention one or two professors in that school and what you know of and appreciate about their work.
  • Specific features of the grad program which attract you.

The doctoral program will provide me with an opportunity to learn more about higher education and prepare me to be a senior-level college administrator. I have had several educational and life-fulfilling opportunities to work with many administrators to help contribute to the field. Due to the nature of this program, I believe it will provide me with a chance to continue to be a catalyst not only within higher education but also in my community. In addition, this program will help me further my understanding of first-generation African American college students’ expectations and knowledge about college before enrolling in their respective institutions by participating in pre-college programs.

My professional goals are to learn as much as I can about higher education that would strengthen my awareness about trends within the field and how I can contribute to the overall mission and purpose of the profession. I would like to someday become a dean of students or vice president for student services or student affairs, as well as a faculty member. I believe my past and current experiences have prepared me tremendously to serve as a senior-level administrator.

As a graduate student at American Justice University (AJU), I studied and worked in many capacities, i.e., graduate assistant, supervisor, advisor, and practitioner within an urban environment. Located in Detroit, AJU challenged me to think critically and provided me with the skills to work with many different cultures, lifestyles, beliefs, and backgrounds. Classes such as College Student Development, Higher Education Law, Finance, and Administration, and my study abroad experience to England, Scotland, and Ireland deepened my understanding of the field and how colleges and universities operate. These experiences provided me with an opportunity to enhance my knowledge of higher education and apply theory to practice.

As an active member within several different organizations that work to improve the lives of others, I believe I have not only been a catalyst for change but have instilled a “sense of hope” for many students. Currently, I serve as an advisor to the Gamma Club (GC) of Detroit, Michigan, which is a youth auxiliary of Beta Beta Beta Sorority, Inc. This youth auxiliary was established in 1970 and designed to assist young females between the ages of 8 – 18, providing them with opportunities to regularly work with college and professional women, expose sorority national programs and services, and prepare them for academic and career success. Many of the young women who participate in this program are raised by single parents/guardians (predominately women); therefore, my colleagues and I work extremely hard to ensure these students are provided with the necessary skills to be successful and influenced by positive female role models.

In addition, I serve as a committee member for the MLK Weekend Celebration in Detroit, Michigan. Last year, the committee implemented an essay competition to encourage high school students to think critically and display their creative writing abilities. With access to college becoming more burdensome and stressful for many college students, I worked with university officials at NASPA University, which is located in Denver, Colorado, to establish a scholarship (Dr. Martin Luther King, Jr. Scholarship) for the first, second, and third place winners of the essay competition. The university agreed to support this initiative to help offset costs during their first semester of study at the university.

In my current role as a Residence Hall Director at NASPA University, I strive to educate the campus community about diversity, multiculturalism, and inclusion and how it plays an essential role within our society. Part of my responsibility includes monitoring minority students’ academic and career success and preparing them for graduate or professional schools through the Graduate Recruitment Program (GRP). As an advisor to GRP, I believe I have been influential in empowering these students through seminars, workshops, and programs that encourage them to continue seeking higher education.

I believe my experiences have exceptionally prepared me for the EdD program at NASPAUniversity. I am confident that this program will continue to enhance my understanding of higher education and prepare me to help my colleagues and future colleagues be catalysts within the profession.

A PhD letter of intent is used to strengthen one’s application to a graduate school, specifically for applications to complete a Doctor of Philosophy degree. This letter should outline the applicant’s qualifications, achievements, education, work experience, as well as their passion for the program for which they are applying and their goals for the future.

A letter of intent for a PhD program is also known as a “statement of purpose.” The committee in charge of new students will have a plethora of application packets to review; a PhD letter of intent will help them narrow down their options.

Applicants should make sure to include information that is relevant to the program and integral to their chances of being accepted. Each school/program will have information on their website telling students what their letter of intent should contain and may even go into detail regarding formatting and submission information.

What is a PhD?

A PhD , short for Doctor of Philosophy, is a postgraduate doctoral degree awarded to students who complete the most advanced schooling in any given discipline. This type of doctorate degree is classified as an academic degree where recipients concentrate on research, development, teaching, whereas applied degrees, such as medical doctorates (M.D.), law doctorates (J.D.), etc., focus on practical and professional careers.

Studying philosophy is not part of a PhD (although it can be), the word “philosophy” is used because of its Latin roots. For example, five of the most common PhD degrees in America are Accounting and Finance, Applied Math, Audiology, Biomedical Engineering, and Business Administration.)

All PhD students spend their education studying literature within their field, conducting research and collecting results, and completing an original thesis establishing new knowledge or a fresh point of view in their discipline. The thesis will be submitted as a dissertation and the student must discuss their thesis with examiners (called a “viva voce”) in order to earn their degree.

Admissions Committee, Counseling Psychology PhD Program Northwestern University 633 Clark St, Evanston, IL, 60208 (847) 491-3741

Dear admissions committee,

It is a privilege to be writing to you at this time to state my intent to pursue a degree in counseling psychology at Northwestern University. I’ve been following the details of the PhD program, and it would be an honor to take part in such a well-developed and successful program. If the committee decides I am a deserving applicant, I won’t hesitate to accept; Northwestern University is without a doubt my top choice.

I received my BA in psychology from the University of Miami and have an unblemished academic track record throughout my educational career. I maintained a 3.2 GPA and participated in a number of extracurricular activities. My passion for psychology began when I was nearing the end of high school. Witnessing the difference that the counselors made on the student body was inspiring. I intend to earn my PhD to encourage and promote innovative ideas to advance psychological research and professional counseling.

I have included a research paper in my application packet that I think will interest the committee. It demonstrates my knowledge in the field of psychology and my ability to complete complex research projects. I know I still have much to learn but my professors have stated that I have shown a lot of promise and that my desire to soak up as much knowledge as I can is going to allow me to thrive in the field of counseling psychology.

My interest in Northwestern’s counseling psychology program is heightened by the school’s exciting and influential research being completed in the psychological sciences today. I’ve heard great things about the dynamic and experienced community of scientists and scholars at Northwestern and I believe that with the right training and education, I can succeed in the discipline for which I have the utmost passion.

I am positive that my acceptance into the counseling psychology program at Northwestern will benefit both myself and the school. Northwestern is my number one choice and it would be high praise to be accepted as a PhD student. Please consider my application and contact me if you require any further information.

Application for Scholarship Format

To write a good scholarship application letter, you have to be familiar with its structure.

Following the right scholarship format will help you compose your letter in a better way. A scholarship application letter has six major components which includes; the header, the salutation, introduction, the body, the conclusion and the closing.

The body of the letter contains the most important details required by the scholarship committee and it is usually divided into 2 or 3 paragraphs.

Here, we'll discuss the different components of a scholarship application letter. Keep reading to find out more.

Header: The header is the first part of a scholarship application letter located at the top of the letter.  It should include your complete contact information such as your name, address, phone number, and email address.

You can also include the title of the letter typed in a bold font.

Salutation: Next is a professional salutation to begin the scholarship application letter. Examples of salutations you may use include; "Dear Scholarship Committee" “Respected Sir/Ma” or "To Whom It May Concern."

Introduction: After the salutation is the introductory paragraph. This is the official first paragraph of the letter where the scholarship applicant is expected to briefly introduce themselves and state the purpose of the letter.

The introduction can be written in three to five concise sentences.

An important tip to keep in mind when writing your introduction is to keep things as straight to the point as possible.

Body: the body of a scholarship application letter is where the main content lies. In the body of the letter, you'll provide details about your academic achievements, extracurricular activities, and any relevant experiences that will convince the scholarship committee to grant you the scholarship.

As we discussed earlier, the body of a scholarship application letter can be divided into 3 paragraphs. Let's discuss each of the paragraphs.

First Paragraph: in the first paragraph, write about your academic achievement and record. You can outline all the degrees you have gotten and their grades, you can also highlight your future plans for your academics.

Second Paragraph:   The second paragraph details your work experience and extracurricular activities that may be relevant to the scholarship.

Third Paragraph:   In the third paragraph, you can go a little further to explain how the scholarship will help you achieve your academic goals and why you deserve the scholarship.

Conclusion:  The conclusion should be a strong statement summarising why you are a good fit for the scholarship. It should highlight key points you have made in the previous paragraphs and should fit into 2 or 3 sentences.

Lastly, thank the scholarship committee for their time and consideration in one sentence.

Closing:   Always end your Scholarship Application Letter with a simple closing remark, like "Yours Sincerely" or "Kind Regards.”

It is important to keep your closing as professional as possible. The scholarship application letter is a formal letter so you want to avoid using any form of informal or casual remark or language.

PARTS OF A SCHOLARSHIP APPLICATION LETTER

As you must have seen in other articles , documents such as a scholarship essay or scholarship CV are drafted with caution, organization and professionalism. A scholarship application letter is not an exception. In order to capture the attention of the committee deeply, a scholarship application letter must be written in a well - structured manner. An application letter for scholarship pdf will be provided (scholarship cover letter pdf). The following parts make up an appealing scholarship application letter:

Contact Information

Self introduction and a milestone achievement.

  • Middle Part
  • Key details of you and reason why the committee should choose you
  • Expression of passion and reason why you want the scholarship
  • Call to action paragraph
  • Best Regards

Just as every formal letter contains the contact information of the sender and the receiver, the same applies here. A scholarship application letter should contain the name, street address, telephone and email of the sender (at the right side). Afterwards, the name of the organization, street address and zip code are placed on the left side when writing an application for scholarship request

First impression matters a lot and so is the first paragraph of a scholarship application letter. The first paragraph should indicate your zeal and your understanding of having such an award. It would whet the appetite of the reader. Start with a significant achievement that shows how much you value this particular course of study.

Key Details about Yourself and reasons for Choosing you.

A scholarship cover letter for students should entail relevant information about your achievements, the role models you look up to, your struggles to attain the scholarship and the victory you would achieve for getting this scholarship.

Expression of your passion

In this paragraph, the committee wants to encounter the zeal in attaining the scholarship and perhaps the sacrifices you must have made. This doesn't mean that you want to sound desperate. But you are expected to express how much you want the award in a constructive manner.

Call to action

In a letter to scholarship committee, a call to action paragraph is the last but not the least important. Do you want the committee to call you back? Then you just have to say it. Ask for a meeting arrangement and leave the notable  impression that you have more to discuss.

LETTER FORMAT FOR SCHOLARSHIP APPLICATION

Let's reiterate a point here. The content of the letter is as important as the structure of the letter. This means the format has to be set in a way that makes the content edible and appealing. It can also serve as a scholarship letter format for school. So how about you follow the few guidelines below:

  • Use the correct spacing: 1 or 1.5.
  • Don't be tempted to use justification. Left side align is easy on the eye.
  • There should be one - inch margins for some white space and friendly impression.
  • When it comes to the paragraph, there should be double spacing between them.
  • Fonts like Calibri, Arial and Times New Roman are welcome.

WHAT NOT TO INCLUDE IN A SCHOLARSHIP APPLICATION LETTER

To be more certain that you write only within the context of what is needed, here are some traps you just avoid.

1. Don't include your weaknesses

This is an opportunity to zone in your main strengths, achievements and skills. This is not the stage where you explain your weaknesses. Just like the example of letter of intent for scholarship below, focus on matching your strengths with some vivid examples.

2. Don't use an informal tone.

In the process of appealing one's heart, you may want to shift to an informal tone. That shouldn't happen. Your letter has to be precise, clear and formal. The scholarship letter examples below will give you a hint

3. Don't submit without proofreading

In a letter of interest for scholarship, it is essential that you check for grammatical errors and rectify them. One way you can achieve that is by asking someone to read the letter. That way you will have a more objective viewpoint.

4. Don't add unnecessary information.

You may find yourself adding unnecessary details that would only make your letter sound lethargic and unappealing. True, it is a personal letter for scholarship. However, details such as height, family tree or any other irrelevant information should be avoided.

5. Don't hide your need for financial assistance.

You may conclude that expressing your inability to pay tuition fees would sound desperate. Wrong! A scholarship is meant to alleviate a financial burden. So asking for financial assistance is highly expected. So an application letter for scholarship financial assistance is just appropriate. Relate your strengths and academic achievements. In the middle part of the scholarship application letter, you are free to explain how beneficial the organization's financial assistance would be to you.

Admission Board,

Quebec University,

Lilyland Park,

Quebec, Canada

Dear Admission Officer,

I can't imagine any better opportunity to further my career in Marine Biology than this. So I am applying for a scholarship award for Masters in Marine Biology in the University of Quebec. This would be an added achievement to my victory in a 200 member school competition for Marine Biology. This would testify to my fervor for this field of study.

Ever since I was a kid, my parents would take me to all sorts of aquariums. Every time was a fascinating experience. But going back home never stopped my curiosity. I kept researching the nature and functionality of sea creatures. In time, I developed research and analytical skills, critical thinking and problem solving skills. Once, there was an elevator pitch competition with the title "The Impact of Whales in the Lives of Scuba divers". The topic sounded amusing and daunting at the same time. But my passion for Marine Biology never stopped me from giving it a shot. At the end, I was applauded for my great speech. In time, my presentation skills were furnished.

So shortlisting me for the scholarship award would be a privilege on my part as it would reflect on my grades, courseworks and projects.

Understanding the nature of sea animals and plants has propelled me to draw closer to high school students who are equally curious and craving for answers. So I took up full time as an aquarium tour guide. With this job, I shared my passion and enjoyed the satisfaction that pupils had after an interesting tour. However, my job provides a meager income. As much as I aspire to study Marine Biology, I would need financial assistance to bring my dream to reality. Therefore, I am humbly seeking monetary support.

How about we hold a meeting and discuss the impact the course of study would have on the next generations and the facilities that University has to contribute to the exposure of Marine Biology as a discipline?

Best Regards,

Mary Rowland.

Cover Letter for PhD Application: Guide for Writing One & Example From a Real PhD Student

  • Klara Cervenanska ,
  • Updated March 27, 2023 9 min read

When applying for a PhD research position, you usually need to submit certain documents, including an academic CV and a cover letter for PhD application .

A PhD cover letter, also referred to as an academic cover letter, should be carefully crafted, well-formatted, and contain specific sections.

We'll show you how to do exactly that, along with a sample of an academic cover letter from a real person admitted to a PhD program at Lyon University in France.

And if you're not sure how to go about writing your PhD CV, check out this article: CV for PhD Application: How to Write One Like a True Scholar (+CV Example) .

What is an academic cover letter?

What to include in a cover letter for phd application, how to write a cover letter for phd application, how to format an academic cover letter, phd cover letter sample.

An academic cover letter is a document that PhD candidates submit alongside their academic CV when applying for a PhD.

Essentially, it's a cover letter for a PhD application.

It's not exactly the same as your regular business cover letter. Nor is it the same as a personal statement or a motivation letter .

The purpose of a cover letter for PhD application is to explain to the reader, who's likely a researcher or a professor, what you can contribute to their institution and/or field.

Moreover, in a PhD application cover letter, you should explain why you're a good match for the research position on the program.

Differences between academic cover letter and business cover letter

Both these documents serve different purposes and people use them in different settings:

  • Academic cover letter is used when applying for positions in academia — most often for a PhD. More emphasis should be on education, research background and scholarly accomplishments. Moreover, it should explain what your contribution to the institution or field could be. It should also point the reader to your academic CV.
  • Regular (business) cover letter is normally used when applying for any kind of job . Hence, more emphasis should be on skills and past experience while being tailored to a specific job position. You should also explain why you're a good fit for the position at the given company. It should point the reader to your resume.

There are also other documents people often mistake for an academic cover letter. These include:

  • Motivation letter is especially relevant for fresh graduates when applying to a university, a non-profit organization, or voluntary work. A motivation letter focuses more on your interests and motives for applying.
  • Personal statement. Also used in an academic setting. It's always written by an applicant, often a prospective student, applying to college, university, or graduate school. You explain why you've chosen a particular course and why you'd be good at it. Other names include a statement of purpose or a letter of intent .

Like every cover letter, an academic one also needs to include specific elements and content sections. These are:

  • Header. Here, provide your contact information, such as your name, address, phone number, and email in the header of the document.
  • Formal salutation. In an official letter like this one, you should address the reader in a professional and formal way. If you know who'll be reading your cover letter, go with Dear Dr. [Surname] or Dear Professor [Surname] . If you don't, go with Dear Sir/Madam .
  • The specific PhD program or position. Clearly state in your letter which research position you're applying for or the name of the PhD program. A cover letter is usually read before a CV, so you need to make sure everything is clear.
  • Your motivation. Explain why you're interested in the specific PhD position — it's one of the key elements you should include.
  • Your academic background. Now, we don't mean you should list in detail every single university course you ever took. Instead, focus on the most relevant course for the PhD and describe in detail what you learned, any projects you worked on, why it was interesting (and optionally, what knowledge gap you identified). In this way, you also show a certain level of understanding of the field.
  • Your ambition. Briefly mention what your ambitions, intentions, and plans are regarding your contribution to the field when securing your PhD position. How is your research going to enrich the field? How will the institution benefit from it?
  • Conclusion. Keep the conclusion short. Contrary to a regular cover letter ending , there's no place for reiterating everything here. Simply thank the reader for your consideration and prompt them to read your academic CV.
  • Formal sign-off. Just pick from the usual: Sincerely, Respectfully, Regards... Then throw in your full name in the following line.

And that's all you need to include!

Now, let's take a look at how to write your cover letter step-by-step.

Applying for a PhD will be a lot less stressful if you follow these tips on how to write a cover letter for a research position:

Consider researching the background of the organization, department, ongoing research projects, and their past and current projects. All that before you start writing your cover letter. Knowing these things will help you tailor your letter to the specific PhD opening.

Before you actually start writing, try to sit down and take a moment to think first. Assess how your past experiences helped you prepare for the PhD position and scribble down those that are most relevant and significant for the specific program. These include any research experiences, research projects, courses, or internships.

In the first few sentences of your letter, you need to convey some basic information about yourself and what specific position you're applying for. The opening should also state firmly why you're a strong candidate for the position/program, by using a persuasive and convincing wording. Here's an example: "As an MChem Chemistry graduate with a narrow focus on the sustainable synthesis of biologically active molecules from the University of Dundee, I am excited to apply to a "Synthesis Of Small Molecule Inhibitors Using Enzymes" PhD programme at an institution with such a strong foundation and numerous research groups in this field."

This is the place where you may explore more extensively on the educational journey that brought you here. Set the foundation for demonstrating how your Master's degree and research experience seamlessly translate into the next phase — the PhD program. Emphasize how your thesis contributes to the field's body of knowledge. Mention any other publications that support your thesis. And, if you can, identify any knowledge gaps or topics that can be explored further.

This paragraph provides the opportunity to neatly tie in together everything the reader has learned about you so far. You can show how your previous experience, coupled with what you'll learn during the PhD program, will come together to produce something novel to enrich the field. First, identify the courses or topics within the PhD program that interest you the most and how they relate to you developing your research further. Second, introduce your future research aspirations and goals. Third, point out how this future work will enrich the field and what will the intellectual merit be.

When ending your PhD cover letter, briefly refer your reader to your academic CV and encourage them to examine all of the remaining projects, courses, publications, or references . Finally, thank the reader for their time and consideration and let them know you look forward to hearing from them. Sign off.

Put the letter in a drawer and don't think about it for a day or two. Then, when you read it again, you'll have a fresh pair of eyes to see the cover letter in a new light. Maybe you decide some things are redundant, or you think of something that's more relevant. Or you know, find a typo here and there.

Just like an academic cover letter needs to contain certain content components, the formatting should also align with the structural expectations for this type of document.

How long should a cover letter be? How to finish a cover letter? And what about the cover letter font and spacing?

Here's a recommended academic cover letter format:

  • Length. While STEM PhD candidates should aim for half a page to one page, humanities candidates can do 1–2 pages.
  • Font. Use one of the classics: Times New Roman, Calibri, or Arial. Just no Comic Sans, we beg you. Keep the size between 10–12 points. Also remember to keep the text clean — no underlining, no bolding, and no color. However, you can use italics if appropriate.
  • Spacing. Cover letter spacing isn't complicated. Just single-space your text, make sure there's a space between each paragraph, and leave a space between the concluding paragraph and your formal sign-off.
  • Margins. The only rule here is that the margins on your cover letter should match those on your CV.
  • Consistence with your CV. Your academic cover letter should match your academic CV in all formatting aspects — including the cover letter font and spacing. For example, Kickresume lets you choose a matching template for your CV and your cover letter, so no need to worry about this.

If the institution provided any instructions for formatting your academic cover letter, don’t get creative and follow their guidelines.

Finally, to help you tie everything we talked about together, here's a cover letter sample from a real person admitted to a PhD program at Lyon University in France.

These things ensured Herrera's cover letter was successful:

  • She clearly states her motivation in the opening. In the first two paragraphs, Herrera introduces herself and her motivation to apply for the given PhD program.
  • She describes educational and research background thoroughly. The main body of the letter is dedicated to describing Herrera's educational background, research projects, internships, and skills acquired throughout the way.
  • She presents research aspirations in the letter. Herrera writes: "I have a history of proven results and profound findings. Given opportunity, I’m confident in my abilities to earn similar ground-breaking results while being part of your team."

Even though this example lacks some of the key elements, such as mentioning the specific PhD program or identifying the topics within the PhD program that interest her the most, this PhD cover letter still managed to impress the University of Lyon.

Letter of Intent

PhD (School) Letter of Intent

A PhD (School) Letter of Intent is a document prepared by an applicant to express interest in joining a Doctor of Philosophy program in a given institution. It outlines the applicant’s qualifications and achievements and also mentions their passion for the particular program to which they are applying. When accompanied by a formal application, this letter can improve your chances of being selected.

A PhD letter of intent, also called a statement of purpose, is a must-have for any program applicant. Because the admissions committee will have numerous LOIs to go through, this article will help you draft yours in a way that separates you from the crowd.

What Is a PhD?

PhD, also written as Doctor of Philosophy, refers to a postgraduate doctoral degree that is awarded to a student who successfully completes the most advanced instruction in a given discipline. It is an academic degree that focuses on research, teaching, and development. In contrast, applied degrees such as law doctorates focus on practical careers.

PhD Letter of Intent Header

A PhD (School) Letter of Intent essentially follows the same mechanics of writing as a business cover letter. The goal is to introduce yourself to the admissions committee and convince them that you should be part of their doctoral program. To do this, you will need to identify yourself in the header by mentioning the date, your name, address, and contact information.

This LOI is typically addressed to the admissions committee. If you know exactly who will be handling your application, you can address the letter to them by name. If not, consider something more general like ‘dear admissions commission.’

Drafting the Body of Your LOI

It is crucial to remember that your letter of intent should not take the place of a formal application. Instead, you can use it to draw the committee’s attention to certain elements of your application or to paint a more holistic view of who you are outside your academic qualifications.

The body of your letter of intent should, therefore, include the following information:

  • The name of the program you wish to join
  • How you heard about it
  • Why you think it is a good program
  • Your qualifications, experiences, and qualities that make you a good candidate
  • Your plans if chosen to join the program

Letter of Intent for a Scholarships or Admission Application April 17, 2024 by Digital Vaults Editorial Team

A letter of intent for a scholarship should be written and formatted just the right way to get the judges’ attention, who will decide if you’re awarded money to pursue your academic goals. If you don’t have experience writing letters of intent, here’s how to write one that stands out from the crowd!

LOI for scholarships

What is an Letter Of Intent (LOI)?

An LOI is an official letter outlining your intent to pursue a scholarship. It can be written as an email or in the form of a formal letter. The LOI should include information about why you are interested in the scholarship, any relevant experience, and qualifications that make you a strong candidate. In addition, have where you will be attending school, what major/program you are pursuing, and when they can expect to hear back from you regarding whether or not they have offered you the scholarship. If they have awarded it already, let them know how much time they should allot before making their final decision.

Why should you submit an LOI?

To be eligible to win a scholarship, you’ll need to submit an LOI. An LOI is the first step in the application process. It shows your intent to apply for that scholarship and helps you establish your eligibility by providing some basic information about yourself. By submitting an LOI, you’re taking the initiative and setting yourself apart from other applicants who haven’t yet submitted one.

Who should apply for a scholarship with an LOI?

People applying to graduate or professional schools may also need to write an LOI to compete with other applicants. An LOI can be used as a template when writing your letter so that you know what you should include. These letters are often more formal than personal letters because they are written to an institution rather than an individual. As such, there is less room for individuality, and the tone will usually be one of gratitude.

What do I need to know before writing the LOI?

Before writing your letter of intent, you should know that: – Letters of intent are usually written in response to an invitation to submit one. – Letters of intent are usually 2-3 pages long. – Letters of intent should mention why you’re qualified and what you can offer the scholarship organization. – Letters of intention tend to be personal and not require a formal tone.

You may want to show some personality with this letter. Now is the time if you’ve done anything interesting or have any remarkable story to tell. Remember that letters of intent are meant as introductory documents before a potential candidate is chosen; they’re not used to assess eligibility or qualifications. So it doesn’t need to be wordy or high-browed. Instead, it needs to introduce yourself in a way that makes you sound like someone who would greatly use their scholarship if given a chance.

Step-by-step guide on writing your letter of intent

  • Start by introducing yourself and telling the scholarship committee why you are interested in their scholarship. For example, I am currently enrolled at ____ University, pursuing my degree in ____.
  • Provide information about your academic background and extracurricular activities to show that you are an engaged student with an active interest in your field of study. For example, I have been awarded both undergraduate and graduate scholarships from ____ University for my involvement in _______. In addition, my time has also been spent teaching younger students the basics of computer programming through the local school system. As such, I believe I would be an excellent candidate for this scholarship because I am committed to supporting education in all forms.
  • Briefly outline what you need or want from the scholarship: The funds could be used towards tuition, living expenses, or travel costs associated with attending conferences or workshops related to my studies.
  • End your letter on a strong note: Thank you again for considering me as one of the recipients of this scholarship! Don’t hesitate to contact me if you have any questions.

Sincerely yours, _________

  • Finish off with a formal closing: I look forward to hearing from you soon. If you have any other questions, please don’t hesitate to contact me at (XXX) XXX-XXXX. Regards, __________
  • Send your letter electronically to the address provided on their website, and cross your fingers!
  • And finally, don’t forget to keep copies of everything so you can refer back to them later if necessary! 8. Once you’ve completed these steps, submit your letter and wait patiently for the response!
  • Be sure to follow up if they say they’ll get back to you within a certain period. If you haven’t heard anything, try calling them or sending another email.
  • If they offer feedback on your application before rejecting it, consider what they said before submitting another application elsewhere.
  • You may find that this leads to more opportunities in the future, whether that means applying for other scholarships or networking with new people who might help you down the line!
  • Don’t give up hope just yet; sometimes, things work out when we least expect it!

The scholarship letter of intent contains the following parts

 > The letterhead:  The first and foremost thing that your letter should have is information about you, including your name, address, and contact information.

> Introducing yourself and your educational goals: Introduce yourself to the scholarship committee by mentioning why you are applying for the scholarship and your educational purposes. Be sure to mention any circumstances that may have hindered you from reaching these goals in the past and how this particular scholarship will help you overcome these obstacles.

You might also want to mention any awards or honors you’ve won or even an instance where you helped someone else who was in need. The introduction should be brief, but it should include everything the scholarship committee needs to know about your background so they can make an informed decision about awarding you a scholarship.

> A record of previous academic achievement: Your letter should then go on to explain any accomplishments or achievements you’ve made at school so far, such as making the honor roll, participating in extracurricular activities, and maintaining good grades. Show the scholarship committee that their money will not go to waste if they award you a scholarship because you’ll most likely use it wisely and responsibly.

> Experience and skills related to working: Talk about any experience or skills you have that would relate to the field of work the scholarship is intended for. For example, if you’re applying for a photography scholarship, mention how much you love taking pictures and working with photography equipment like cameras, lights, etc. If applying for a journalism scholarship, mention your experience interviewing people in public places.

If you’re applying for a culinary arts scholarship, talk about your experience cooking for large groups of people or cooking with fresh ingredients. For example, one could say something like as someone interested in culinary arts, I have had many opportunities to cook using fresh produce, which has led me to develop my palate. If you’re unsure whether or not any particular skill or experience would count as being relevant to the scholarship application process, ask the scholarship administrator before writing your letter.

> Objectives for the long term and the short term: The last paragraph of your letter of intent should describe the objectives you plan to accomplish both in the near future (within five years) and the distant future (more than five years). These objectives should align with what you wrote about your academic performance and life experiences. For example, if you mentioned that you wanted to attend graduate school when discussing your academic performance earlier in the letter, then your objective for the distant future would state something along those lines.

What should not be in a scholarship letter of intent?

It is essential to avoid the following when writing your letter of intent:

-Do not refer to the scholarship as scholarship money. This sounds like begging or asking for charity.

-Do not use flattery or exaggeration. Be honest about who you are and why you deserve this scholarship.

-If you are not being truthful in your letter, it will be easier to see through during the interview process. You must convince the scholarship committee that they should choose you over all other applicants. You want them to believe that they will be helping someone who deserves a chance at higher education by choosing them.

-You should also ensure that your letter has a strong opening and ending statement so it leaves an impression on the reader. These statements might include your gratitude for their consideration, what sets you apart from other candidates, or how much you would appreciate receiving this award. As always, make sure your scholarship letter ends with a thank you.

-Make sure you proofread your work before sending it out because typos can hurt your chances of winning.

-Finally, there is no right way to write a letter of intent; do what works best for you!

How to Write a Letter of Intent for Scholarship Properly

How to fill out a letter of intent for a scholarship, sample letter of intent for scholarship.

A LOI for a scholarship should be taken seriously as commonly, an awarding body sets a list of requirements for a successful letter of intent. It might be requirements to the length, content, formatting, etc. However, if there are no strict rules provided by a scholarship body, general rules on writing business letters have to be followed. Regardless of format and length, there are certain details that every letter of intent template should contain.

If you apply for a scholarship, you should use a letter of intent to talk about the field of study that interests you and how it correlates with the career that you pursue after studies.

For instance, you might say that you have always been interested in software engineering and you want to get in-depth knowledge at the college. After graduation, you plan to continue education at a graduate-level program in Artificial Intelligence and Robotics. You are interested in the research of industrial robots that could simplify human labor on heavy industry factories.

Your goal is to clearly demonstrate what you wish to do at college or university and how the degree will help you with your future career.

Along with that, it would be beneficial to include the names of certain faculty members who could be your mentors. It would show that you have done preliminary research and are specific in your studying plans.

  • Background, skills, and personal traits

What also interests the scholarship board is your previous degrees and academic achievements. It would be great to include any field-related work experience and any training or courses you have taken along with relevant skills and qualities you possess. Everything should talk about your dedication to your field of interest.

  • Future long-term and short-term goals

To make your letter of intent look more purposeful, add your long-term and short-term goals. For instance, a short term goal might be obtaining a master’s degree in Artificial Intelligence and Robotics while your long term goal can be becoming a Machine Learning Research Scientist at a huge engineering and robotics design company.

Step 1 – Information about the applicant and recipient

In the top left corner of the letter, write down your name, address, and beneath it, the effective date of the LOI. Further, write “admission committee” and the name of the college or university along with its address.

Step 2 – Opening

Start with a “dear committee” or “respected Mr./Mrs.” and then state your name and that the purpose of this letter is to apply for a scholarship to study at the chosen program. Say how it would augment your previous degree and bring you closer to the career you are pursuing.

Step 3 – Main body

In the first paragraph of the main body, speak about your passion for the field. Explain how you decided to pursue your previous degree and what knowledge you got throughout your studies. You can also add any extracurricular activity that is related to the field you want to delve into. Include the top academic achievements you have.

In the next paragraph, elaborate on your previous work experience if any. State what you had to do at work and how it helped you advance your knowledge and get valuable insights into the industry. You can also talk about the benefits you have brought to the company, especially if they are measurable.

Further, describe your short and long-term goals. Say what degree you want to achieve and what career prospects you set for yourself.

Step 4 – Closing

In the last paragraph of your letter of intent, thank the committee for considering your application and say that your strive for getting deeper into the field will make you a successful student. State that you are anticipating getting the response soon and put a respectful closing statement. End the letter by writing your name in the lower-left corner.

Letter of Intent (LOI) for Scholarships: Letter of intent Format, Template, Example and Sample

Intent letter for scholarship application.

Letter of Intent (LOI) for Scholarships Template, Example and Sample

Individuals who want to apply for scholarships may be asked to write a letter of intent (LOI) or an intent letter. This is also sometimes called a statement of purpose or a personal statement. Essentially, the main aim here is for you to write about what you want to do in the future, such as what you plan on studying at college and what you will do with that degree after graduating.

This intent letter document serves as an important tool through which you can prove to the awarding body that you are worthy of the investment made by them and that you have the potential to excel in your field. You should also talk about your educational achievements, as well as any extracurricular activities that you have been involved in, which would prove you to be a well-rounded individual who is capable of succeeding in college and beyond.

Letter of Intent (LOI) Writing Official Instructions

Before you begin writing, it is important for you to be aware of all the guidelines offered by the awarding authority. You should know what should be included in the letter of intent. Is there any word limit? Should there be a certain number of pages? As for writing the statement, you can follow the general rules that are followed when writing cover letters for jobs or other business letters. You should add your personal mailing address on the left-hand corner at the top of the letter, and this should be followed by the date. Below that, you can write down the name of the person to whom the letter is to be addressed, as well as their street address. It is always a good idea to address a specific person if you are able to find out names in advance.

#1 Talk about Your study plan

You can start your LOI by talking about the subject or degree that you plan on pursuing at college, and how that is relevant to the career you have chosen for yourself. You could, for example, start off your letter with a sentence like: “I have always harbored a love for teaching, and wish to pursue that at Columbia University in New York City this fall by enrolling in the undergraduate program. I am interested in majoring in English at the undergraduate level. After graduating, I wish to enroll in a graduate-level program in elementary teaching and education. I am interested in research on how we can lead to improvements in reading instructions in elementary school classrooms.” Thus, you can clearly outline what you wish to do at college, as well as what you plan on doing with the degree after that.

#2 Talk about Your Passion

In general, it is a good idea to be specific and detailed in your statement. This is especially important if you are sending in an application for graduate-level scholarships. You should ideally have shortlisted the universities that you are interested in attending, and also be familiar with the names of certain faculty members whom you would like to work under. After you have discussed your plans for college, you can also talk about your previous academic record, work experience that is related to your degree, as well as any extra skills or qualities that can set your application apart, such as leadership or teamwork skills. You should be able to convince the scholarship awarding committee that you are very dedicated to your career.

#3 Here’s How to End it

You should wrap up the letter of intent by re-iterating your short-term as well as long-term goals. For example, you could write: “After receiving a graduate degree, I aim to work as a teacher in any public school in Kansas. I want to establish a committee that focuses on improving our students’ reading and comprehension skills. I hope to take on a leadership school at my school. I am interested in maintaining regular communication with my students’ parents since I believe that a strong home and school connection plays a pivotal role in allowing the child to succeed academically.

How to Write A Perfect Letter of Intent for Scholarship + Example

A Letter of Intent for Scholarship (LOI) is a letter that may be one of the requirements for receiving a scholarship at a college or university. A letter of intent is a great way for students who want to get a scholarship to express their strong interest in the chosen field and their worthiness of receiving the requested financial aid.

The main information that should be conveyed through the free fillable school letter of intent is a student’s educational and career goals, as well as areas of interest at college or university. The letter should demonstrate that a student has the potential to excel in their field of study and is deserving of an awarding body’s investment.

Table of Contents

What should A Letter of Intent for Scholarship Contain?

Though some scholarship applicants see these contents as unnecessary, there are strict rules which guide every scholarship letter . In the same manner, the LOI has its own rules and areas which must be covered in the letter.

Such letters must contain the following:

  • Background, skills, and personal traits
  • Future long-term and short-term goals

Let me go into full details.

1. Study Plan

When applying for a scholarship, you should use a letter of intent to discuss the field of study that interests you and how it relates to the career that you want to pursue after graduation.

For example, you could say that you’ve always been interested in software engineering and want to learn more about it in college. You intend to continue your education after graduation by enrolling in a graduate-level program in Artificial Intelligence and Robotics. You are interested in the development of industrial robots that could reduce the need for human labor in heavy industry factories.

Your goal is to demonstrate clearly what you want to do in college or university and how the degree will help you in your future career.

It would also be beneficial to include the names of specific faculty members who could serve as mentors. It would demonstrate that you have conducted preliminary research and are focused in your study plans.

2. Background, skills, and personal traits

Your previous degrees and academic achievements are also of interest to the scholarship committee. It would be ideal to include any field-related work experience, training, or courses you have completed, as well as any relevant skills and qualities you possess. Everything should reflect your commitment to your field of interest.

3. Future long-term and short-term goals

Add your long-term and short-term goals to your letter of intent to make it look more purposeful. A master’s degree in Artificial Intelligence and Robotics, for example, could be a short-term goal, while becoming a Machine Learning Research Scientist at a large engineering and robotics design firm could be a long-term goal.

Format for Writing a Letter of Intent for a Scholarship

As you already know, a scholarship letter or essay contains the introductory part, the body and and the conclusion (end). In the same way, the LOI has these same parts with other unique parts such as the address and the salutation. But how do you go about each part of the letter. Let’s see to that!

1. Start with the Information about the applicant or recipient (Address)

The recipient’s or applicant’s information should come first. Write your name, address, and the effective date of the LOI in the top left corner of the letter. In addition, write “admission committee” and the name and address of the college or university.

2. The Opening (Salutation)

How do you start a letter for a scholarship? Begin with “dear committee” or “respected Mr./Mrs.,” then state your name and the purpose of this letter, which is to apply for a scholarship to study at the chosen program. Explain how it will complement your previous degree and bring you closer to the career you want.

3. The Body

Discuss your enthusiasm for the field in the first paragraph of the main body. Explain why you chose to pursue your previous degree and what you learned during your studies. You can also include any extracurricular activities related to the field you want to pursue. Include your highest academic achievements.

Extend on your previous work experience, if any, in the following paragraph. Explain what you had to do at work and how it helped you advance your knowledge and gain valuable industry insights. You can also discuss the benefits you have brought to the company, particularly if they are quantifiable.

Furthermore, describe your short and long-term objectives. Tell what degree you want to pursue and what career goals you have for yourself.

4. Closing (Conclusion)

Thank the committee for considering your application in the final paragraph of your letter of intent and state that your desire to learn more about the field will make you a successful student. Declare that you expect a response soon and close with a respectful statement. Finally, sign your name in the lower-left corner of the letter.

7. Foreign Scholarship Application Letter

scholarship application letter sample philippines 1

A scholarship application letter is a formal document that convinces the recipient that the sender is the best pick for the scholarship. It highlights the applicant’s qualifications, achievements, and experiences to ace the grant.

The application letter also states your reasons for applying for the scholarship, as well as an explanation of how the grant will help in your studies.

To add a “personal touch” to this letter, you may use personal anecdotes and testimonials. However, the letter’s tone should be formal rather than casual because it is an academic/professional document.

Although both documents increase your chances of getting the grant, they convey different messages.

A scholarship application letter convinces the reader that you’re an exceptional candidate for the scholarship grant. Specifically, it highlights the most compelling reasons why you deserve the scholarship.  You can focus on your academic achievements, socioeconomic condition, or personal attributes.

This letter may include personal anecdotes, testimonials, and other supporting information that will help with your application. You may even state who your role model is and how they influence your passion to achieve your dreams.

Meanwhile, the main focus of an LOI is to express your interest in applying for a scholarship. Your qualifications, experiences, and socioeconomic conditions are stated briefly as supporting details. For this reason, an LOI is usually shorter, more straightforward, and has less room for personal anecdotes.

There are also some differences between their structure. The upper part of a scholarship application letter indicates your details (name, address, contact details). In an LOI, this part is usually located at the bottom.

A scholarship essay usually asks a particular question like, “Why do you deserve the scholarship?” , “How can our scholarship help you?” or “Who is your biggest inspiration?” It’s important in a scholarship essay that your answer is well-thought-out, clear, and creative.

Meanwhile, a scholarship application letter is more of an extension of your documentary requirements. It expounds the details indicated to highlight your best attributes so that the scholarship committee will pick you. The topic of the letter is “you,” and there’s no question you’re supposed to answer.

1. Personal Information : Located at the top of the letter, this section is where you indicate your full name, address, and contact details.

2. Date: The date when the letter is submitted

3. Recipient: This is where you indicate the name, position, and institution/company of the letter’s recipient

4. Salutation: If the recipient’s name is unspecified, you may use the line “To whom it may concern”

5. Introduction: This part includes your name and current educational attainment, as well as a brief statement of your desire to apply for a scholarship and the reason/s behind it

6. Body of the letter: This part highlights everything that makes you deserving of a scholarship (e.g., personal attributes, academic achievements, extra-curricular activities, etc.). It may also include personal anecdotes and testimonials.

7. Conclusion: This section is where you express your gratitude to the recipient and emphasize how the grant will help you in your studies.

8. Closing Remark: A short formal closing statement (e.g., Regards, Sincerely, etc.)

9. Signature

How To Write a Scholarship Application Letter

There are two reasons why you need to do this before drafting your letter.

First, to avoid stating wrong information in the letter.

Second, to help you decide what your “focus” is so that the letter will suit the scholarship requirements. Suppose the grant requires the applicant to have exceptional leadership skills. To meet this qualification, you need to brush up on your memory for any leadership roles you had in the school and include them in your letter.

Your letterhead should contain three sections: your details (name, address, and contact info), the date when the letter is submitted, and your recipient’s details.

Afterward, provide a short salutation like “Dear <insert name>” and “Greetings <insert name> .

Performing this step completes your letter’s introduction. In case you’ve recently graduated, mention your alma mater.

Don’t forget to mention in this portion your understanding of the scholarship’s goal and how it is aligned with your aspirations and current circumstance.

In the example above, the sender wrote that the scholarship aims to help underprivileged students pursuing health-related courses. Thus, she wrote that her dream of becoming a physician led her to major in Biology.

Finally, state your reason for applying for a scholarship.

Your goal in this step is to complete your letter’s body. State here your best attributes that make you stand out from other applicants. It depends on you how many paragraphs you’ll write for this section.

Here is some information you can include in your letter’s body:

  • Academic achievements (e.g., consistent Dean’s lister, class valedictorian/salutatorian, academic honors like Best in Math or Best Research Paper, or high GWA , etc.)
  • Extra-curricular experiences (e.g., leadership roles in the Student Council, student organizations, and NGOs, as well as awards received from competitions, etc.)
  • Certifications (e.g., TESDA National Certificate)
  • Work and internship experiences
  • Personal attributes (e.g., interpersonal skills, time-management skills, perseverance, etc.)
  • Other information that may suit the scholarship requirements. For example, if you’re applying for sports-related grants, you can mention the competitions you’ve won, your experiences as a student-athlete from another school, etc.

Only select attributes that are related to the scholarship’s requirements. For example, if they are looking for good academic standing, you must focus on featuring your grades and academic achievements. If the grant is looking for leadership skills, then highlight your leadership roles in student clubs or even in non-academic organizations.

You may also add personal anecdotes in this portion. For instance, the sender of the sample letter above shares her experience meeting a doctor who inspired him to pursue the same profession.

Briefly mention that the scholarship will help you accomplish your studies and ease your family’s financial burden. Afterward, thank the recipient for taking the time to read your letter.

Close your letter by adding a closing remark (e.g., Regards, Sincerely, etc.) and affixing your signature.

  • Strictly follow the required word count, if there’s any. To save time reading tons of letters that scholarship committees receive, they set word count limits that applicants should follow. Hence, no need to make your application letter wordy; as long as it contains the most essential details, that would be enough. As the saying goes, “brevity is the soul of wit.”
  • Be truthful. Do not include misleading information to stand out from the competition. Some scholarship committees conduct cross-checking to verify the information indicated in application letters. Get caught and lose your chance to enjoy the grant.
  • Don’t be “too emotional.” It’s true that your letter becomes more convincing if you state your challenges and economic hardships. However, over-relying on “emotional appeal” might repulse your reader. Thus, avoid oversharing private matters in your letter.  Moreover, refrain from adding “rant” statements (e.g., education is for the privileged only, tuition hikes are anti-poor, etc. ) in your letter. There’s a different avenue to express those frustrations.
