How To Write A Cover Letter For An Internship?

The following section of the cover letter is similar to the first and provides the same contact information for the employer. Begin with the official name and title of the individual given as the internship job posting’s point of contact. 

Then, provide the company or organization’s name and postal address. It is not required to include email addresses or phone numbers for the employer in a cover letter as you did for yourself.

The salutation is your first opportunity to directly address the organization’s point person in your cover letter. Therefore, it is vital to use a formal greeting that includes the recipient’s honorific. 

It may also be necessary to conduct preliminary research on the organization’s website or by contacting the office to confirm that you have the proper contact person and address them correctly. Do this, especially if you are unsure of their salutation based on their first name or probable PhD status.

Body of the letter

1st paragraph.

The first paragraph is your opportunity to hook the employer and capture their interest. While it may appear easy, companies are looking for you to specify the internship position you wish to get. 

Without copying and pasting, refer to the role clearly and use terminology comparable to the job advertisement. Confirm your interest in the post and your conviction that you are the best candidate for the job based on your education, work experience, and skill set. Keep this paragraph general but express your enthusiasm for the internship.

2nd paragraph

One basic cover letter rule for every fresh graduate in Malaysia is that it needs to have a proper structure. This means breaking it down to your standard introduction, body, and conclusion. We will expand upon that below. But before that, some general tips include:

  • Keep it concise and capture their attention immediately. Overall, your cover letter shouldn’t be any longer than a single page.
  • Don’t just write one full body of text, but separate your letter into three to five short paragraphs. This applies even in emails.
  • Use fonts that are clean and simple (Calibri, Verdana, or Arial), and set to 12-point size and single-spacing.

Address the letter to the hiring manager (get a name).

It’s even better when you tie in this excitement to the role that you’re applying for. So, rather than going with, “I’m writing to apply for the XYZ position”, replace it with, “I’m excited to be applying for XYZ position”. However, be careful not to turn this into another copy of your resume. Your resume would typically cover your skills in brief bullet points. So, with the cover letter, pick one or two standout achievements and, as mentioned earlier, go into them with more detail.

End the cover letter with a simple sign-off (Sincerely, Best Regards, Thank You etc.), together with your name at the bottom.

How to write a cover letter.

A cover letter is the first piece of information about yourself that your potential employer will read. The main function of a cover letter is to highlight the position you are applying and the skills you possess. The cover letter has to be tailored towards to specific jobs you are applying to. A cover letter provides an opportunity to introduce yourself, highlight the key points from your resume, and be considered for a job interview. Your cover letter should:

Formatting & Style

Remember, your cover letter may be one of tens or hundreds the employer may receive, so it’s important that you format it in a standard business style, so that it’s presented simply and concisely, and is easy to read. Meeting these standards should involve these features:

  • 1 A4 page, typed using a simple 11 -12 point font (e.g. Calibri Times New Roman, Arial)
  • Plenty of white space (wide margins)
  • Spell-checked and grammar-checked
  • Sentences are well-constructed and not ‘padded out’
  • The tone is positive and straightforward
  • Without slang, SMS abbreviations or casual terms

The content should reflect your written communication skills, your level of interest in the position, your knowledge of the organisation, and the relevance of your skills to the selection criteria of the particular job in question. These key selling points should be consistent with the details contained within your resume, and communicated by a series of well-structured paragraphs. The content should also reflect your skills in synthesizing evidence drawn from different sources and constructing consistent and well-supported arguments.

The content should include:

  • Your address and contact details, the recipient’s address
  • Today’s date
  • A formal greeting to the relevant contact person
  • The purpose of the letter, including details of the position (position title, reference number)
  • Evidence of your interest in the position and the field
  • Evidence of your research into the organisation

The content should not include:

  • A simple list of your skills without any supporting evidence of demonstrated skills
  • Sentences or phrases plagiarised directly off the organisation’s website

Introduce yourself & explain why you are writing. If responding to   a job advertisement, include the position title, and any reference number if   applicable.

If you’re canvassing for potential employment, introduce yourself   & your current career circumstances as concisely as possible, including   any specialised professional interests and abilities.

Highlight the skills, expertise, qualities and employment experience   you have included in your resume that you believe are most relevant to the   requirements of the position.
