How to Record and Share a Webex Presentation in Ten Easy Steps

  • Launch a browser, navigate to  umaryland.webex.com , then login to Webex using your UMBID and password, and DUO two-factor authentication.
  • Find and click on the Start a Meeting button.
  • Enable your microphone and camera and click, Start Meeting.
  • If appropriate, launch PowerPoint and open your slide presentation.
  • When ready, click the Recorder button on the bottom of your screen and begin your presentation.
  • To display the PowerPoint, you must Open PowerPoint first, click the Share Content button (next to the Recorder button) and select PowerPoint.
  • To stop sharing the presentation, move your pointer to the orange bar at the top of the screen wait for the tool bar to descend from the top of the screen. Select Stop Sharing.
  • To Stop the Recording, click on the Recorder button again and select Stop Recording.
  • To share your recording, return to the Webex Portal (umaryland.webex.com and select Recordings (on the left). Please be aware that your recording may not be immediately available. Lengthy recordings sometimes take up to 24 hours to finish “generating.”
  • Locate your recording and either click the Download button to download a MP4 version of your video or click the Share button to email the recording to your selected recipients.

If you have permission to record a meeting – that is, you're a host, alternate host, or presenter, you should see a record button in the toolbar at the bottom of the screen. Currently, recording a Webex meeting from a computer is only available on the free Webex desktop app. If you start a meeting from a device using a web app like a Chromebook, you can’t record it.

Note: To record as a co-host, you need Webex version 42.11 version and later. 

Recordings include participant audio, video, and anything shared during the meeting. 

Note: Webex recordings don’t include panels, such as the chat panel, participants panel, transcripts, or any files you share using Share File . You can’t choose a recording layout, either.

Here’s a step-by-step guide on recording Webex meetings within the app:

  • Click Record and choose the option for your computer. If you can't find the option on your computer, it may be disabled. Ask your Webex site administrator for access.
  • If you want audio in your recording, click Computer audio as the audio option. If you connected to audio using a different option, like an external headset, you can still record without sound. If you click Call me or Call in , the audio doesn’t record.
  • Click Record . Click Record and then select Pause and Resume to keep a single recording.
  • Select Stop when the meeting ends.

Where do my Webex recordings go?

When the meeting ends, the Webex recording will save to your computer as an MP4 file by default. This is the same regardless of whether you have a paid or free account.

Paid plan users also have the option of saving their Webex recordings to the cloud.

In Windows, Webex recordings automatically save to the Documents folder in My Computer.

In Mac, Webex recordings save to the Home folder , which is accessible through the Finder function.

Check Permissions

If you prefer to stick with the native Webex recording feature, you need to check recording permissions in Control Hub. As a host, you can extend the recording permission to co-hosts, participants, or both. You can also decide whether to give co-hosts more freedom over recording layout or limit them to the view-only option. In any case, follow these steps:

  • Go to Services > Meeting
  • Click Settings
  • Scroll down to Cloud recordings and choose who can record
  • Set the recording details by toggling on or off the Allow co-hosts view-only privileges option

When using Webex’s native feature, you don’t necessarily have to inform party members that you’ve started recording. Participants receive an audible notification with a Red Light icon on the screen when the recording is in progress.

Participants can only press the dedicated button to start and stop the recording. To record Webex meeting as a participant, you need to get the host’s permission to record. Cisco Webex is a great app to select as your go-to video conferencing app. It’s Cisco, so you know it’s secure, and your private information is safe. And it even offers a free account currently.

But Webex is not just good because it’s secure, or easy-to-use. It has a lot of features that make the experience worthwhile. But when starting to use a new app, it can take a lot of time to discover everything it has to offer. And some features are buried so deep, a lot of people never uncover them. But that’s not going to be you. We have compiled a list of all the tips and tricks a Webex user needs to know to use the app to its full potential.

Use Virtual Backgrounds

Bored or embarrassed of your real background while attending video calls from home? Webex now supports virtual backgrounds and background blur for meetings from the desktop app. You need to be using the Webex version 40.7 or higher for the feature to be available. So, if you’ve been on the older version, you’ve missed this gem of a feature.

You can set a virtual background from the preview window before joining the meeting or during the meeting itself. Click on the ‘Change Background’ button on the preview screen and select a background from the menu.

To change the background during the meeting, click on the ‘More options’ icon on your self-view window and then select ‘Change virtual background’ from the menu.

Conduct Polls During a Meeting

During a Webex meeting, you can also host polls and collect the responses from other meeting participants in real-time. But the panel for polls has to be added to a meeting first. And because of that, a lot of people never even find out about the existence of this feature in Webex.

To add polling to a meeting, go to the Menu Bar in the meeting window and click on the ‘View’ option. Then, go to ‘Panels’ in the menu, and select ‘Manage Panels’ from the sub-menu.

Now, select ‘Polling’ from under the ‘Available Panels’ area and click on the ‘Add’ button to move it to the ‘Current Panels’. Finally, click ‘OK’ to save the changes.

The panel for Polling will appear on the right side of the meeting window where the panels for participants, chats, etc., appear. From there, you can add questions and conduct polls with meeting participants.

View Meeting Reports

Webex has special meeting reports that allow you to keep track of everything about your meetings, including but not limited to attendance, usage, duration, email addresses of the participants, and much more. You can view, export, and even print these reports.

This feature is especially useful for teachers who otherwise have to manually keep checking which students are present in the meeting. Using these reports, you can even track when someone joined and left the meeting. But as the option is accessible only from the web portal, and not the desktop app, it’s likely to get overlooked.

Go to webex.com on your browser and log in to your meeting space. Then, go to your name on the right corner of the screen, click on the down arrow, and select ‘My reports’ from the menu.

Then, click on ‘Usage Reports’.

Enter the time period you want to view the reports for and select the meeting to open the report.

The report will have the details of each participant individually, from basic details like their name, email address, to whether they were invited to the meeting, and when they joined and left the meeting, and much more.

Alternate Hosts

So you’re the meeting host, but need to leave due to some unforeseen emergency. Worried about what will happen to the meeting as the host should be present at all times. The future of the meeting starts to look pretty grim at such times, doesn’t it? Well, it doesn’t have to. You can make someone else the meeting host in Webex in one fell swoop.

Open the ‘Participants’ panel and go to the attendee you want to make the new host. Right-click on their name and select ‘Change Role To’ from the menu. Then, select ‘Host’ from the sub-menu to make them the host.

Raise Hand in a Meeting

There are times when you have doubts in the meeting and wish to speak up, but you don’t want to be rude and disrupt the person already speaking. In real-life situations, it’s really easy to do that. You can just raise a hand, and the speaker can let you speak when it suits them.

But in a virtual meeting, raising your hand and hoping the speaker sees your video isn’t the most practical solution. Thank god for virtual hand raising in Webex ! You can raise a hand, and the speaker will be able to see your risen hand next to your name on the participant panel. But keep in mind, that you can only use this feature if you’re not the meeting host.

Open the Participant panel, and go to your name. Then, click the ‘Raise Hand’ option (a hand icon) next to your name. Everyone will get an alert, and they will be able to see that you have raised your hand from the participant panel.

Change Views for Recordings

You can record all your meetings in Webex, everyone knows that. But did you know that you can also change the view of the meeting recordings? By default, the recordings contain the videos of participants, and if it’s a sharing session, then the shared screen and the video thumbnails of other participants. So, in short, the exact replica of your screen.

But these recording views can be modified. You can choose between active-speaker view, and content-only view if you don’t want the video thumbnail view. The active-speaker view contains the video of only the active speaker and if it’s a screen-sharing session, then the shared contents and the video of the active speaker.

In the content-only view, the recording contains only the contents of the shared screen. And if there’s no content sharing session active, then it will only record the audio without any video. You can change the recording views only from the web portal, so it’s prone to escaping people’s notice.

Open the web portal, and go to ‘Preferences’ from the navigation menu on the left. Then go to the ‘Recordings’ tab. Here, you can select the preferred recording view for your recordings.

Change the Host Before the Meeting

You scheduled a meeting, but now you can’t attend it. How will the meeting go forward without the host present? You can change the hosts during the meeting, but for that, you have to join the meeting at least once. But what about the situations when you simply cannot? Well, don’t worry. You can change the host before the meeting.

Every scheduled meeting has a host key that is only visible to the host. Share this key with the person you want to take the role of the host. And they’ll be able to claim the role of the host after entering this key.

To view the key, log in to the Webex web portal and go to your meetings. Then, click on the scheduled meeting to view further details.

Use Music Mode in Webex

Have you ever wanted to play music on a Webex meeting but found that the other participants couldn’t hear it clearly? That’s because, by default, Webex suppresses the background noise to enhance the audio. This background suppression interferes with the music. Turning on the Music mode preserves the original sound, and you can play the music without any interference. To use Music mode, you should have the WBS 40.8 or later.

To turn on the Music mode, click on the ‘Settings’ option.

Closed Captions in Meetings

If you have a bad connection in the meeting, or there’s a participant with a hearing disability present in the meeting, you can have closed captions and transcribe the entire meeting.

If you have a Webex enterprise account, the Webex Meeting assistant will automatically transcribe the meeting using its AI capabilities. Just click on the ‘CC’ option on the lower-left corner of the meeting window.

Other users can have a designated captionist in the meeting to provide captions for the meeting. Go to the participant panel and right-click on the name of the person you want to make the captionist. Go to ‘Change Role to’ in the menu and select ‘Captionist’ from the sub-menu.

The options you have for recording Webex events will vary depending on subscriber type. If you’re a free Webex subscriber, you can only record locally to your computer using the desktop app. Those who have a paid subscription to the app can record a meeting and save it to the cloud.

Note that you can only record a Webex event or meeting if you’re the host or alternate host. Webex does not support recording for participants directly within the platform. If a participant is granted presenting permission, they may record the event. 

Can You Record a Webex Meeting as a Participant?

All recording from within the Webex platform has to be done by a host or alternate host . You cannot record a Webex meeting as a participant unless you’re a presenter. If you wish to record a meeting as a participant, you’ll have to use a native recorder on your device or a third-party recording app.

Can I Record a Webex Meeting Without Participants?

Why Can't I Record My Webex Meeting?

The Webex app has rules about who can and can’t record a meeting within the program. Only a host, alternate host, or presenter may record online meetings in Webex. If you’re not the host or alternate host, you may record the meeting if the host makes you a presenter. If this isn’t possible, you’ll have to use a third-party screen recording program to capture the session. 

You also need to check which version of Webex you’re using and which type of device you’re trying to record with. If you’re using the free version of Webex, you can only record using the desktop app. 

Can I Record a Webex Meeting on a Phone?

Yes, you can record a Webex meeting on an iPhone or an Android. If you’re the meeting host or cohost, you can record the session directly in the Webex app. However, you’ll have to use your phone’s built-in screen recording features or a third-party screen recorder as a participant. 

How Do I Convert a Webex Recording to MP4?

All cloud recordings are saved in MP4 format , but your recording will be saved as an ARF file if you’re recording locally. WebEx currently supports MP4 conversion on Windows computers, and Mac users can only access local recordings in ARF format. Webex has its Webex Recording Converter you’ll need to install to convert files on a Windows device. 

Follow these steps to download and install the Webex Recording Converter:

  • Make sure your Webex account has host permissions . You’ll only be able to download the converter if your account has host permissions .
  • Log in to your Webex site by entering your username and password.
  • Go to the navigation bar on the left of the screen and choose Webex Events or Webex Training . 
  • Click Support and then Downloads .
  • Choose Recorder and Players and then Recording and Playback .
  • Find the Webex Recording Converter and click on Download . 
  • Follow the instructions for installing the Webex Recording Converter once downloaded. 

Once you’ve downloaded the converter, you can begin creating MP4 files. If you’re a Windows user, follow these steps to convert your Webex recordings to MP4 format: 

  • Download the recording you wish to convert from your Webex site to your computer.
  • Open the Webex Recording Converter .
  • From the File menu, select Convert to MP4 .
  • Select the file you want to convert from ARF to MP4 format . 
  • Choose where you want to save the file in the Save As section.
  • Choose what you’d like to record from the Content options. In addition to video, you can also record chat, Q&A, notes, polling, and file transfers. 
  • Preview what will be converted in the Preview Layout section. 
  • Select your Video Quality . Low video quality will create a smaller file using 3 fps . Medium quality is the default conversion option and creates an average-sized file using 5 fps . High quality will produce a large file size using 8 fps . 
  • Choose whether you want to start your conversion now or schedule it for a later time from the Conversion Start Time section. 
  • Click OK on any dialog box that opens to start the conversion. 

How to Record a Webex Meeting on Chromebook

Your Chromebook comes with a built-in screen recorder you can use to record a Webex meeting. The Chromebook recorder has features that allow you to edit and share your Webex recording. 

Follow these step-by-step instructions to record a Webex Meeting using a Chromebook:  

  • Press and hold the Show Windows + Ctrl + Shift keys. 
  • Select Screen Record from the menu.
  • Choose if you want to record a browser window, a portion of your screen, or your entire screen to begin recording. 

Once you’re finished recording, locate your video in the Videos Folder . 

How to Record a Webex Meeting on iPad

You can use the screen capture feature introduced in the iOS 14 system update to record a Webex meeting on an iPad: 

  • From the scrolling menu, choose where your recording will be saved. 
  • Tap Start Recording to begin a three-second countdown. Once the countdown finishes, your recording will begin.  

You can stop your recording at any time by tapping the red status bar at the top of the screen and then tapping Stop . 

How to Record a Webex Meeting on Tablet

Most Android tablets have a built-in screen recorder that makes recording Webex meetings and events a breeze. One of the most popular Android tablets is the Galaxy Tab, which has a more advanced screen recorder that does well-capturing HD content . 

You can record a Webex Meeting on a tablet by doing the following: 

  • Swipe down from the top of your screen to access the Notification Panel . 
  • Locate Quick Toggle Options and hold down the Screen Recorder toggle.

If you're the host of the meeting, here are the steps to follow for recording it:

  • Look for the Record button at the bottom of the session control panel of your Webex live meeting. Click it and wait for the menu to appear.
  • If you are using a premium account, you can choose where to save the recording. Simply pick the destination folder and then press the Save button. If you want to save the recording in the cloud, press Record in Cloud.
  • The Webex recording will start, and you can pause and stop it using the pop-up at the bottom.

2. How to record Webex meeting as a participant

If you’re a participant, ask the meeting host to make you a presenter or co-host. Only the host is allowed to make several participants presenters or co-hosts.

To grant permission:

  • Go to the Controls and select the Participants options.
  • Next, go to the participant's menu list, scroll to your name, and then click More.
  • Choose Allow Record.

Once you have the host's permission:

  • Click Record at the bottom of your screen.
  • The Recording icon on the upper-left corner will notify you when the recording is happening.
  • Clicking the Stop button will automatically save your recording to your selected source.

3. How to record Webex meeting calls on the phone

This is a convenient way of recording your meeting on the go or if you can’t access your laptop or computer. You can either use the Webex mobile application or the built-in features on your Android and iPhone devices.

The meeting host determines how much control you get regarding recording meetings and phone calls. Depending on the setup, you can do the recording automatically. Although, sometimes you'll have to do this manually using the app.

To record meetings via the Webex mobile app , all you need to do is:

  • Download the Webex app and open it.
  • To start your meeting, click the Start Meeting button, or join a meeting already in progress by clicking Join Meeting.
  • Tap the More icon, the ellipsis at the bottom next to the Share tab.
  • A Start a Recording option will appear. Click it when you’re ready to record.

To record meetings via iPhone:

  • Go to Settings on your iPhone, click Control Center, and enable screen recording.
  • On the right of the Screen Recording option, there's a + icon. Click it to get the screen recording option.
  • Next, open Webex and start the meeting.
  • Swipe down from the right-hand corner of your screen and press the Record button.

(Note: There's a three-second countdown before the recording process starts. The meeting will automatically be saved to your library once you stop the recording)

To record meetings via Android:

  • Enable the screen recording feature on your phone.
  • Next,  log in to the Webex application on your Android device and then join a meeting or start a new one.
  • While the meeting is in progress, swipe down and press the Screen Record option.

Since Covid, online video conferencing platforms are trending more than ever before. Webex is an online video conferencing and cloud calling tool.

Nowadays many professionals, businesses, organizations and even teaching institutes rely on the Webex program by Cisco to host and record meetings, classes, training, and other virtual events.

Webex has a built-in recorder that allows hosts to record and share their meetings with just a few clicks. But unfortunately, if you want to record a session in Webex as a participant, things can get a bit tricky.

Don’t worry though, I’ve got the solution to your problem. In this article, I’ll share some quick and easy ways to record on webex that I've been in personally over the past two years. No matter which device you own, I'll share a method for each device. Keep reading till the end. That being said, let’s get started!

Before going into the details of webex recording, first you need to understand the relationship between the account type and the recording method.

Here, I’ll discuss the different recording options based on your device and account type.

Users with free webex accounts have very limited options with how and what to record. Let’s take its example: you can record only through the desktop app and recordings will be saved only locally_ not to the cloud.

You can only record Webex meetings if you have a premium account. And the good thing is_ you’ll be able to record on both desktop and mobile devices. Also, it allows you to save your recordings to your computer, or your account in the cloud.

Your role in the webex meeting also matters!Depending on this, you’ve different recording options available.If you’re a host, co-host, or presenter, you can record a meeting using webex app.

On the other hand, if you’re attending the meeting as a participant or presenter, then you’ve to use a third-party app like DemoCreator to record webex meetings.

Generally, desktop recordings are of better quality than a mobile device. However, the speed of your internet connection is also a possible factor. Besides that, there are a few other recording differences that I want you to be aware of:

First, if you’re recording webex meeting on your phone, it’s not possible to switch to the desktop app and continue the recording. Second, only one user is allowed to record webex meeting at a time. It means_if the meeting host is already recording, the co host can’t start a simultaneous recording.

There are two more webex recording rules you need to know:

The first option you’ve is to record your Webex meeting in the cloud. All the meetings will be stored in their online account if the host is using a paid account. If you’re a meeting participant who wants a meeting recording, you’ll have to ask the host. So, if you’re attending the meeting and want it recorded, then you’ll need to ask the host.

The second option is_ record the webex meeting on your computer where it will be saved locally.

Keep in mind_ only the meeting host, presenter, or co host can record with webex recorder.

Part 2. How to Record Webex Meeting

If you’re the meeting host or you’ve been granted permission by the host to record a session in webex, the next recording process is pretty simple.

Here’s how you can record your Webex meeting:

  • As participant

Step 1: Go >Webex live meeting

Step 2 : Click> ‘Record’ button in the bottom right-hand corner

Step 3: Now you’ll have the option to choose where you want to save the recording if you’re on a paid account. Premium users can choose to save the recording to the cloud or their computer. Simply choose the option and click> ‘Save’

Step 4: Webex recording will start and a popup will appear in the bottom right-hand corner of the screen. You can quickly pause and stop the recording.

Your webex recording will be available for view as soon as you stop the recording.

If you’re attending a webex meeting as a participant, ask the meeting host to make you a co host or presenter. Also, the meeting host can assign co host role to multiple participants

Once they make you a co host or presenter, then you’ll have access to webex screen recorder.

If you’re not a co host or presenter, use a third-party tool like DemoCreator and learn how to record Webex meetings without permission. Below I've explained how you can easily record meetings with the DemoCreator and built-in phone settings.

If you want to record webex using an iPhone, follow the steps below:

Step 1: First, check whether your phone’s screen recording is enabled or not. Go to> ‘Settings’, click> ‘ Control Center ’.

Click> ‘.’ icon next to ‘Screen Recording’ to enable the screen recording option.

Step 2: Open> Webex app and start your meeting.

Step 3: Swipe down from>right corner of your screen and click>‘Record’ screen.

After a countdown of 3 seconds, the recording will start.

Step 4: Click> Stop Recording to end your recording. Your webex recorded meeting will automatically save to your library.

If you’re an android user and want to record meeting, follow these steps:

I use Debut Video , but Camtasia also does it. In fact, almost any screen capture software.

you will only be able to record if you are a Host. If not you have to use third party applications to record.

Webex App | Cisco AI Assistant in meetings

Sometimes you may join a meeting late, need to step away for a moment, or you're multitasking and get distracted. With AI Assistant meeting summaries, you can quickly catch up on what you’ve missed, understand the discussion, ask questions without disturbing the meeting, and stay on top of the conversation. You also receive a summary and transcript after the meeting, without having to record.

If you can't see the AI Assistant meetings summary feature, contact your organization administrator.

If the meeting options are set to the default— Only the host and cohosts can start and stop the summary , participants will need to request that the host or cohosts start the summary to use the feature.

The default meeting option is set to Only the host and cohosts can start and stop the summary.

If the meeting host or cohosts select Anyone can start and stop the summary in the meeting options, click Start summary in the pop-up window.

If the meeting host or cohosts select Anyone can start and stop the summary in the meeting options, you can click Stop summary in the AI Assistant panel, to end the meeting summary.

If you start, stop, and restart the meeting summary during a meeting, AI Assistant will not save the segment of the meeting that occurred while the summary was stopped, in the post-meeting summary or transcript.

Meeting hosts and cohosts can adjust AI Assistant meeting options, to decide who can start or stop meeting summaries, and also decide if summaries and transcripts are saved after the meeting.

In the meeting, go to the AI Assistant panel, and click AI Assistant settings window, under AI Assistant, select from:

When you've made your selection, click Apply.

Meeting summaries and transcripts are saved to the meeting host's account in Webex App. If your meeting is associated with a , the summary and transcript link automatically appears in the space where the meeting took place.

If you can't save content after the meeting, contact your administrator, as they may have disallowed this option.

Request AI Assistant meeting summaries

If you can't access the feature, the host may have made permission changes in the meeting options. You receive a notification that only the host or cohost can enable AI Assistant.

Participants can then ask the host or cohost to enable the meeting summary. When AI Assistant is enabled, you receive a notification that the meeting summary has started.

Intelligent notifications

When the meeting summary is active, AI Assistant sends notifications asking if you want a summary, when you're late, answer a call, or you return from Stepping away during a meeting.

Meeting attendees

If you join a meeting late, 12 minutes after the start time, AI Assistant sends a notification asking if you want a summary of the meeting so far.

When you return to a meeting, after setting your status to Stepped away for at least one minute, AI Assistant asks if you want a summary of what you missed.

If you answer a call during a meeting, missing more than one minute of the meeting, AI Assistant asks if you want a summary of what you missed.

A new summary will only be prompted if there’s sufficient meeting duration to add more information.

If you select multiple summaries using all the available options in the AI Assistant panel, there may be some summary overlaps, and differences in summary durations.
