Site induction meaning.

A site induction is a process or activity which involves 'inducting' workers and visitors onto site by informing them of their requirements and responsibilities as well as arming them with site specific health and safety information they need to enter, work and be on site safely.

The main purpose of a site induction is to ensure everyone entering site can do so safely, and that the company (contractor, client etc.) has all of the details they need about the inductee for increased safety and also compliance.

Why are site inductions important?

Site inductions are one of the most important safety processes, because they set the tone for your safety approach, and create an understanding amongst new site workers and visitors that this site sees safety as a priority.

If a person enters site to a poor induction, it is highly unlikely that they are going to be motivated to report on hazards and follow strict permitting procedures - knowing that the company or contractor itself has not committed to strong induction procedures.

Site inductions are also important because the two main types of people being inducted can both benefit massively from a good induction:

  • Workers who are familiar with these types of projects and sites -  Workers who are familiar with construction sites or other work sites can become complacent about the dangers of every site. Providing them with a good and also digestible induction is a great way of refreshing their sense of safety and keeping safety top of mind. Also, every site is a little different; sites have different assembly areas, different emergency protocols and different activities taking place. Workers need to be across this specific site.
  • Site visitors who do not have much experience on site -  For people unfamiliar with sites, a site induction can really impact their level of safety. Covering key issues and contextualising the type of work taking place gives visitors a much keener sense of how to move around site and engage with their surroundings safely.

While the word and term 'induction' often has some negative connotations, it's critical that inductions are never seen as a waste of time nor ticked and flicked.

A lacklustre site induction process or missed induction can be the difference between a hazard and an incident. Inductions should be a priority on every site.

As we highlighted above, each project or site should have a site specific induction template. This obviously means that there is some variation in what a site induction looks like.

The length and detail of your site induction will also depend on the type of person or people being inducted. If you are inducting a temporary visitor who will only be on site for a short inspection or walk-around and who will be escorted the whole time, then you can likely have a quicker and shorter site induction.

If the person or people will be unescorted and performing some more engaging activities on site, then a deeper and more comprehensive site induction is more suitable.

Companies who perform other safety processes extremely regularly like toolbox talks or tailgate meetings may be able to shift the burden of some information to these other gatherings, while more specific safety processes like SWMS might also alleviate some of the more specific details which need to be covered in the site induction.

The term site induction is also a relatively broad and encompassing term, so some people refer to a number of orientation steps and site entering processes as inductions, while others are talking more about inducting people into their specific roles and activities which can include things like excavations and demolitions.

What should a site induction include?

So with all of the above information about making inductions site specific and tailored to your sites and projects, what should a site induction include?

  • Site inductions should always include details about the person or people being inducted including names and contact information. These records are crucial in the event of a safety incident or emergency.
  • Include certificates and work permits, especially when high risk activities are involved.
  • General site rules, layouts and work zones
  • Fire safety and emergency procedures
  • Location of first aid and other key safety equipment and areas
  • Standard of behaviour expected
  • Restricted areas
  • Hazard and incident reporting
  • Some form of signature or acknowledgment on behalf of the inductor or inductee to prove that the induction was completed and understood

Some site inductions will be more concise than the above, with the site induction example below focusing on worker competency - but all good document management systems will enable you to create the perfect induction process to suit your sites and projects.

Improving your site induction process.

As you have probably gathered from all of the previous information, site inductions are important - but what makes up a site induction?

A site induction isn't simply the site induction meeting or induction form - it's the entire site induction process.

Improving your site induction process can have a huge impact on the quality and consistency of your inductions as well as the quality and reliability of your site induction records.

Many companies still run their site induction process using very tired and time-consuming documents and workflows based in word, PDF, excel and even paper forms - and this type of process creates many problems.

Firstly, filling out and completing site inductions can be difficult. Scrambling to find the right induction template (which many times people don't) and manually entering information onto a paper or PDF form takes time and doesn't look professional.

Secondly, those records are often lost or left on site where they can be misplaced or ruined. This renders the site induction pointless from a documentation and compliance viewpoint.

Begin by delving into the pre-construction information and construction phase plan. These documents contain vital details about the site that you need to know for a successful CDM site orientation.

You don’t need to write a script for a Shakespearean play, but you must gather site-specific information. Organise your topics logically, covering essentials such as:

  • Introduction and key contacts
  • Site layout, including welfare facilities and fire exits
  • Emergency procedures, including fire and accident reporting
  • Essential documentation, policies , and checklists
  • Site rules and key hazards

A structured approach ensures a smooth flow and leaves no critical information behind.

Tip 2: Don’t Monologue, Create Dialogue

Picture this: endless monologues that go on forever. Just thinking about it is enough to induce yawns. Site inductions aren’t meant to be monologues; they’re opportunities for engagement. Encourage questions, invite participation, and foster an environment where everyone’s voice matters.

Site Inductions

All you need to know about running a site induction.

A business must provide information, training and instructions to protect both workers and visitors on a construction site. Inductions provide people with the basic knowledge of work health and safety requirements such as the key risks on site they need to be aware of and what to do in an emergency.

What information should be provided at a workplace induction?

Workplace specific inductions vary depending on the type of project and what stage the project is at. For example, at a less complex workplace like a single storey house site an induction could include a short pre-start meeting or on the job training. For large and complex civil or commercial projects a more detailed induction would be required, for example to explain the emergency response and evacuation processes.

It is good practise to let new works and visitors to the site know about the following key points:

  • Incident, emergency and evacuation procedures.
  • The layout of the workplace including entries and exits, location of facilities, first aid and security requirements.
  • How to report incidents and hazards.
  • Hazards and risks specific to the workplace e.g. working from heights.
  • Control measures for those risks e.g. compulsory harness use.
  • Site specific rules that must be complied with e.g. you must wear personal protective equipment.
  • Safety documents, policies and plans specific to the workplace e.g. traffic management plan.

Task specific training

If the person will be working on the site then you should give them task specific training. This training provides information to people carrying out a particular job and what hazards, risks and control measures link to that particular task. This training should cover:

  • Who is in charge and responsible.
  • Information on the task that worker will be doing.
  • Hazards, risks and control measures involved in carrying out the task.
  • If relevant, it is good to show workers the Task Analysis. Other documents like standard operating procedure or work procedures are also a good idea.
  • Any relevant legal responsibilities, codes of practice or technical standards that must be followed.

How should an induction be carried out?

The way an induction can be delivered will depend on various factors, for example the number of people being inducted, the size of the workplace and the complexity of the work health and safety matters to be discussed.

The method of delivering a workplace induction is up to the person in charge as it depends on the size and nature of the project. It pays to consider any language or cultural barriers before deciding on your induction process. Some ways induction training can be delivered are through:

  • On the job training.
  • Toolbox talk/pre-start meeting.
  • Step by step checklist.
  • Induction video or booklet.
  • Email or a phone conversation.
  • Online interactive programs.

Remember to keep a record

Where possible a record should be kept of the names of people who have been inducted and trained. This should include the training content, who conducted the training and the date. Make sure the participant acknowledges the training, the best way is to sign the training record.

This information is aimed at companies and sites of a smaller size.

HAZARDS IN OCCUPIED AREAS • WHERE WORK, PARTICULARLY CONSTRUCTION WORK TAKES PLACE IN OCCUPIED AREAS, SPECIAL CARE MUST BE TAKEN TO ELIMINATE OR MINIMISE THE EFFECTS ON STAFF AND STUDENTS • IT IS ESSENTIAL THAT PEDESTRIANS AND VEHICLES ARE SEGREGATED. IT MAY BE NECESSARY TO PROVIDE TEMPORARY WALKWAYS AND ACCESS

HAZARDS WHERE THE CONTRACTOR IS IN CONTROL • PERIMETER FENCES MUST BE MAINTAINED TO A HIGH STANDARD • CHANGING FENCE LINES & ACCESS ROUTES ONLY TO BE CARRIED OUT IN AGREEMENT WITH UNIVERSITY PM • DELIVERIES BY LARGE VEHICLES MUST BE PLANNED WELL IN ADVANCE, IDEALY THEY SHOULD BE IN AN AREA FENCED OFF.

WORK INVOLVING PERMITS • ALL WORK INVOLVING A PERMIT TO WORK SHOULD WHERE POSSIBLE BE COMPLETED DURING UNIVERSITY CORE HOURS (OR AS REQUIRED BY THE PROJECT) AND LEFT IN A TRULY SAFE CONDITION • AT LEAST 48HRS NOTICE MUST BE GIVEN FOR A PERMIT TO WORK TO BE RAISED AND TO BE ACCOMPANIED WITH SITE SPECIFIC RISK ASSESSMENTS AND METHOD STATEMENTS • PERMITS MUST BE RETURNED AND SIGNED OFF, KEYS SHOULD BE RETURNED TO THE CONTRACTORS REPORTING CENTRE UNLESS SPECIFIC PROVISION HAS OTHERWISE BEEN MADE

LEAVE WORKING AREAS SAFE • ALL WORK AREAS MUST BE LEFT IN A SAFE CONDITION WHEN WORK HAS STOPPED FOR ANY REASON, EVEN FOR SHORT PERIODS IF LEFT UNATTENDED. WHERE AREAS ARE SHARED, PROVISION MUST BE MADE TO EXCLUDE UNAUTHORISED PERSONS • ALL PLANT AND EQUIPMENT MUST BE SECURED. FLAMMABLE LIQUIDS MUST BE STORED PROPERLY AND NOT LEFT OUT OVERNIGHT • A TIDY SITE IS A SAFE SITE – GOOD HOUSEKEEPING IS A MUST CONTINUED NEXT SLIDE

RISK ASSESSMENTS AND METHOD STATEMENTS • THE UNIVERSITY REQUIRES SAFE SYSTEMS OF WORK, RISK ASSESSMENTS AND METHOD STATEMENTS. THESE MUST BE AVAILABLE FOR ALL WORK INVOLVING SIGNIFICANT RISKS. THEY MUST BE SITE SPECIFIC AND REFER TO THE CONTRACT AND THE UNIVERSITY WITHIN THE TEXT, THEY MUST BE SUITABLE AND SUFFICIENT. • IF YOU HAVE ANY DOUBTS AS TO THE ABOVE YOU MUST INVOLVE YOUR HEALTH & SAFETY ADVISOR.

PPE AND ITS USAGE • YOUR OWN DIRECTLY EMPLOYED WORKFORCE AND YOUR SUB CONTRACTORS MUST COMPLY WITH PPE REGULATIONS. • BREACH OF HEALTH AND SAFETY LEGISLATION COULD RESULT IN A PROSECUTION FROM THE HSE AND MAY EFFECT YOUR CONTRACT WITH THE UNIVERSITY

RISK ASSESSMENTS – SAFE SYSTEMS OF WORK • CHECK IF A RISK ASSESSMENT AND ASSOCIATED SAFE SYSTEM OF WORK HAS BEEN DONE, READ IT, IF YOU HAVE ANY DOUBTS OR NEED EXPLANATIONS ASK YOUR SUPERVISOR. • FOLLOW THE ABOVE CAREFULLY, DO NOT IMPROVISE, IF YOU HAVE SUGGESTIONS, OR SOMETHING IS UNWORKABLE TELL YOUR SUPERVISOR. • CHECK FOR ANY ASSOCIATED COSHH ASSESSMENT. • CHECK CONTROL MEASURES ARE IN PLACE BEFORE STARTING, REPORT DEFECTS IMMEDIATELY.

WORKING AT HEIGHT/ROOF WORK ALL WORK AT HEIGHT REQUIRES AN APPROPRIATE RISK ASSESSMENT AND METHOD STATEMENT TO HAVE BEEN CARRIED OUT. THIS APPLIES TO BOTH UNIVERSITY STAFF AND CONTRACTORS. ALL ROOF ACCESS IS GOVERNED BY A ROOF ACCESS PERMIT SYSTEM ALL CONTROL MEASURES MUST BE IN PLACE BEFORE WORK STARTS. WHERE POSSIBLE WORK AT HEIGHT SHOULD BE AVOIDED. UNLESS ADEQUATE SUPERVISION IS AVAILABLE, NO UNTRAINED PERSON SHOULD BE WORKING AT HEIGHT.

WORKING IN LABORATORIES SPECIAL PRECAUTIONS ARE NECESSARY – • EATING AND DRINKING ARE PROHIBITED WHILST WORKING IN LABS. STRICT PERSONAL HYGIENE IS VERY IMPORTANT • YOU ARE NOT PERMITTED TO WORK IN ANY LAB WITHOUT WRITTEN AUTHORISATION FROM THE LABORATORY SUPERINTENDENT OF THE DEPARTMENT RESPONSIBLE FOR THE LABORATORY. REFERENCE MUST ALSO BE MADE TO THE E&FM ‘WORKING IN LABORATORIES’ POLICY / PROCEDURE • PPE WILL BE PROVIDED, THIS MUST BE WORN, AND AS DIRECTED • DO NOT TAKE SUBSTANCES (GLUES, SOLVENTS ETC.) INTO LABS WITHOUT CHECKING FIRST WITH THE LABORATORY SUPERVISOR. • YOU SHOULD HAVE SIGHT OF THE RISK AND COSHH ASSESSMENTS PRIOR TO STARTING WORK • DO NOT TOUCH OR MOVE ANYTHING WITHOUT PRIOR PERMISSION

CAMPUS BUILDINGS CAMPUS BUILDINGS ARE NUMEROUS AND DIVERSE AND DATE FROM THE 1960’S, THE WHOLE UNIVERSITY UNDERGOES A CONSTANT UPGRADE, RENOVATION AND MAINTENACE PROGRAMME.

CAMPUS BUILDINGS ASBESTOS THE UNIVERSITY HAS A COMPREHENSIVE ASBESTOS REGISTER WITH DETAILED PLANS AND DESCRIPTIONS,IT CANNOT HOWEVER BE CONSIDERED INFALLIBLE. A PERMIT TO WORK SYSTEM UTILISING SPECIALIST CONTRACTORS IS IN PLACE FOR THE MONITORING AND REMOVAL OF ASBESTOS. PROCEDURES AND GUIDANCE CAN BE OBTAINED THROUGH THE PROJECT MANAGER.

CAMPUS BUILDINGS ASBESTOS • ASBESTOS CAN BE FOUND ANYWHERE AND PARTICULAR CARE SHOULD BE TAKEN WHEN DEALING WITH THE FOLLOWING: • RISER DUCTS • BOILER ROOMS • ROOF COVERINGS • WALL COVERINGS • GASKETS/FILLERS

CAMPUS BUILDINGS ASBESTOS IF YOU SUSPECT ASBESTOS IS PRESENT, STOP WORK IMMEDIATELY AND FOLLOW THE UNIVERSITY PROCEDURES AND GUIDELINES

SAFETY SIGNS BLUE SIGNS ARE MANDATORY FAILURE TO COMPLY PUTS YOU AT RISK, AND MEANS YOU HAVE BROKEN THE LAW

PROTECTIVE CLOTHING, PPE IN LABS SAFETY GLASSES MUST BE WORN IN ALL CHEMISTRY LABORATORIES. SHOES. SANDALS AND OPEN SHOES ARE NOT ALLOWED IN CHEMICAL LABORATORIES, MECHANICAL WORKSHOPS. CORROSIVE CHEMICALS SPILLS ARE MOST LIKELY TO GET ON YOUR FEET.

PROTECTIVE CLOTHING Gloves. • WHEN WORKING WHERE HAZARDOUS CHEMICALS HAVE BEEN IN USE WEAR RUBBER DISPOSABLE GLOVES. REMOVE AND DISPOSE OF THEM BEFORE YOU LEAVE THE LAB OR ANSWER THE TELEPHONE.

PROTECTIVE CLOTHING You will be responsible for ensuring that all site operatives, employees and management are provided with, and use, appropriate protective equipment in accordance with current regulations. • Hard hats must be made available to visitors in hard hat areas. • Operatives must use protective equipment at all times where necessary, regardless of their own views on risk. • Long trousers – even during summer months are considered as aiding PPE generally

OTHER WORK REQUIRING SPECIAL ATTENTION • WORKING IN CONFINED SPACES • HIGH VOLTAGE WORKING • LONE WORKING • HOT WORKING • ANY WORK INVOLVING DANGEROUS SUBSTANCES – COSHH ASSESSMENTS WILL BE REQUIRED SOME OF THE ABOVE WILL ALSO REQUIRE PERMITS TO WORK

Any company producing, importing, storing, treating, processing, transporting, recycling or disposing of commercial or industrial waste must comply with the duty of care. “Producer” means: anyone whose activities produce direct waste or who carries out pre-processing mixing or other operations resulting in a change in its nature or composition. It is the person who undertakes the work (the contractor) which gives rise to waste, who has obligations under the Duty of Care. NO WASTE may be disposed of in University skips/ bins or drains without express permission of the Project Manager / Waste Administrator Un-expected waste arising, particularly Hazardous should be discussed with the Project Manager / Waste Administrator for advice WASTE DISPOSAL

DUTY OF CARE Steps to take if a Duty of Care applies to you: When you have waste, the law says that • You must stop it from escaping from your control. • You must store it safely and securely. • You must prevent it from causing pollution or from harming anyone. • First, make it secure. Keep it in a suitable container. If you put loose waste in a skip or on a lorry, you must cover it. • Second, if you give the waste to someone else, check they have the authority to take it. • The law says the person to whom you give the waste must be authorised to take it (i.e. licensed waste carrier). • Third, you must describe the waste in writing. You must sign and fill in a transfer note for it. You must keep a copy of the transfer notes for Controlled waste for 2 years and for Hazardous waste for 3 years.

Site Waste Management Plans (SWMP) Expected to become a legal requirement from April 2008 • The legislation will affect projects £250K and above. • SWMP’s should identify the different types of waste that will be produced by the project, and note any changes to design and material specification that seek to minimise this waste. • They should consider how to reduce re-use or recover wastes produced by the project. • Contractors should be able to demonstrate they are complying with duty of care regime and record quantities of waste produced.

ACCIDENTS WHAT TO DO ALL ACCIDENTS (MINOR OR MAJOR) REQUIRING FIRST AID ASSISTANCE (OR EMERGENCY SERVICES) SHOULD BE DIRECTED THROUGH THE SECURITY OFFICE STATING THE LOCATION EXT 3333 OR 01483 683333 FROM A MOBILE SECURITY WILL ALWAYS ESCORT ALL EMERGENCY VEHICLES ONTO THE SITE AND TO THE LOCATION OF THE INCIDENT

ACCIDENT REPORTING • ALL ACCIDENTS AND INCIDENTS MUST HAVE A UNIVERSITY INCIDENT FORM COMPLETED, AND IMMEDIATELY FORWARDED TO THE CONTRACT ADMINISTRATOR. THIS IS IN ADDITION TO ANY REPORTING YOU MAY DO INDEPENDENTLY TO THE HSE.

FIRE SAFETY • THE UNIVERSITY BUILDINGS ARE ALL EQUIPPED WITH FIRE-ALARM CALL POINTS, AUTOMATIC SMOKE DETECTORS, FIRE EXTINGUISHERS AT STRATEGIC POSITIONS IN CORRIDORS AND ADEQUATE SIGNPOSTING TO ALTERNATIVE EXITS. FIRE-ALARM SYSTEMS ARE CONNECTED DIRECTLY TO THE SECURITY OFFICE WHO WILL RESPOND TO EVERY CALL. • IN THE CASE OF A FIRE, TO SUMMON THE EMERGENCY SERVICES, CONTACT SECURITY ON EXT 3333 OR 01483 683333 FROM A MOBILE

NO SMOKING POLICY • THE UNIVERSITY HAS A NO SMOKING POLICY • THIS POLICY IS FOR REASONS OF FIRE PREVENTION, HEALTH AND LEGAL COMPLIANCE • SMOKING IS ALLOWED OUTSIDE BUILDINGS, PLEASE DEPOSES OF CIGARETTE BUTTS THOUGHTFULLY • PLEASE BE CONSIDERATE OF OTHERS WHERE LARGE NUMBERS OF SMOKERS CONGREGATE
