When designing a new PowerPoint presentation one question that always arises in the early stages is pricing. Usual this question comes up in the initial conversation about a new project, in which the scope of work is generally defined, but we also receive several emails a week that typically go like this, “I need a PowerPoint developed for my non-profit, how much does one cost?”

There are several factors that determine PowerPoint design costs, here are the 5 key cost determinants:

1. Number of PowerPoint slides in presentation 2. Are the slides all text, or a blend of text and imagery 3. Does a PowerPoint presentation, already exist in a rough or previously-used version 4. Does the messaging need to be developed 5. Will illustration and/or animation need to be created

We will discuss factor 1 in this post and the others in our next following posts.

Cost factor number 1 seems easy enough to answer, especially in cases in which the client has either a roughed out PowerPoint design that they have created, or, a previous PPT exists that need s to be improved or modified. Sometimes, we estimate the number of slides, price accordingly and if the final scope of work either decreases or increase the total number of PowerPoint slides we adjust the cost accordingly. One situation that does occur occasionally relates to slides that are what we term “copy heavy”. That is, slides that simply have too much copy on them to effectively communicate the ideas to be discussed. We always recommend to our clients that each PPT slide should only contain me key idea or point. In this cases, existing PowerPoint presentations sometimes expand in size in order to provide a clear communication, as we break a single slide into two slides to make sure that the points receive the emphasis they need.

One other case that arises is the situation in which there is no existing PowerPoint presentation. In these cases we recommend to our clients that they develop a series of numbered points and concepts that they wish to communicate, in Word, and send that over for our review. With a quick discussion with the client we can quickly develop an accurate estimate of how many slides will be needed for a specific presentation.

Creating a high-end graphical presentation can be a time-intensive task.  Sometimes the creative juices just flow perfectly and it comes together fast and bright. Other times, it can be a black hole of wasted time, endless edits, and mind-numbing wheel-spinning. Consistency is key to an effective PowerPoint presentation. The timing should be similar (ideally the same) each time you rehearse. This one will especially pay off when it’s time to present in front of your audience.

Many of the best speakers today intentionally speak slowly. You’ll have the chance to emphasize, appear more thoughtful, and make your information easier to digest.

Like the prior tip, pausing more often allows your main points to be emphasized and gives time for information to sink in. You need to let key points breathe a little before rushing into the next section.

Use your phone’s voice recorder. Assess and critique yourself. Consider:

  • Are you speaking slowly enough? Too slow?

If you stare at the same spot (or even creepier, the same person) the entire time, your presentation will be ineffective (and awkward.) People will be distracted by you, wondering what you’re staring at.

Try this: pick three points in the room (typically: left, center, right). Take time to direct your delivery toward each physical focal point in the room. Also, focus on the center when making your primary points.

26. Vary Your Sentence Length

This makes you sound more interesting, and it’s easier for your audience to follow. Think short and punchy. Or go long and complex for dramatic effect.

27. Modulate!

Don’t speak in monotone for your whole presentation. Be conscious of raising and lowering your voice tone. Otherwise, people will tune you out, and you’ll come across like the teacher in Charlie Brown.

Sound effects are distracting and outdated. In most cases, avoid them. Add audio or music to your presentation to inject interest or highlight an important point, but it’s something to take extra care with. If you insert audio, then make sure your use really connects with your audience and has a fresh approach. Otherwise, it’s best to leave it out.

38. Don’t Use Flashy Slide Transitions

Again, this is distracting and outdated. Use transitions and subtle animations in your PowerPoint presentation. But you need to take care and do it right .
