Application letters are typically written to accompany school or job applications. The purpose of the letter is to introduce yourself to the decision committee, and to outline your qualifications in a specific way. It can be the only time other than an interview that you have a chance to really stand out in an application, so it's important to get it right. Writing a Job Application

• A good example would be: "I'm writing to apply for the Chimney Sweep position advertised in Rolling Stone. I think my experience in the heating industry makes me uniquely qualified for this position. Please find my application materials and a brief description of my qualifications below."
• Don't write your name until the signature. It'll be in the header and in the sign-off, so there's no reason to put it in the body of the letter itself.

• Be specific. Who are you? Where do you come from? What's your story? These details are important. HR screeners read hundreds of these.
• Describe your ambitions. Where do you want to go? How will this opportunity help you get there?
• What skills and experiences make you the right fit? Be as specific as possible and avoid vague language. It's better to describe a time you solved a specific problem at your last job than to just write, "I'm a good problem solver at work."

• Tailor it to the business. If you're applying to work at a record store, you need to talk about music. If you're applying to work at a tech company that writes, "Tell us something totally rad about yourself!" it's probably ok to be a little more informal.

• Don't over-promise. Telling someone that you can guarantee that you'll be able to turn around their sales figures in six months or less is a good way to get fired in six months.

• Any kind of job requires this type of research. If you apply to a restaurant, you need to be familiar with the menu and the kind of customers the restaurant attracts. Consider eating there a few times before you apply.
• Don't show you're familiar by criticizing a business and telling them what you can do better. Not the time to offer a harsh criticism of a business plan that you don't really know anything about.

Writing a School Application

• Common prompts include things like, "Outline your qualifications for this position" or "In writing, explain how this position would affect your career goals." Sometimes, the prompt will be as short as, "Tell us something interesting about yourself."
• If there is no prompt, but you still feel the need to introduce your application with a letter, it's usually best to keep it as short as possible. Explain what you're applying for, why you're applying, and thank the contact for their consideration. That's it.

• Often, college prompts will ask you to describe a time you struggled, or a time you overcame some obstacle. Write about something unique, a time that you actually failed and dealt with the consequences.
• The board will get thousands–literally, thousands–of letters about someone's first mission trip, and letters about the time someone's sports team was beaten, then overcame the odds, and won again. Avoid these topics.

• Be specific. If you're writing to a college board, don't say, "I want to go to this college because I need a degree." That's obvious. What do you want to do with it? Why? If you're applying to a business, don't say, "I just need a job." That's obvious. Why this specific job?

• If you're applying to schools, what do you like about the school? What faculty are you interested in? Why this school, instead of another?

Formatting Application Letters

• If you don't get a word-count guideline, just focus on making one or two good points about yourself, and keeping it at that. No need to drone on four several pages.

• Instead of a salutation, write, "Letter of Application" at the top left corner of the page, or put it in the header on the left side at the top.

How to Write a Letter for Applying to High Schools

When it comes to public high schools, enrollment is often just a matter of having an address within a designated school zone. However, for private or prep schools, applying for enrollment is an entirely different matter. Enrollment depends upon test scores, letters of recommendation, application essays and a glowing letter to the admissions officials. The letter to the schools' boards or admissions departments generally requires that you explain why you wish to attend a particular school. Writing a good letter is crucial for a winning application.

Create the standard business letter format. Type your address in three or four lines at the top left corner of the page. Skip a line and type the date. Skip another line and type the full name of the board and the address of its headquarters in three or four lines.

Skip a line and write "Dear" plus the name of the chairman or director of the board. Skip another line and begin your first paragraph without indenting.

Identify yourself with your full name, explain that you are an applicant to a specific school or schools within the board's responsibility.

State your strongest reason for wanting to attend these particular schools. Be specific, stating programs, classes or activities that these schools offer that directly connect to talents or hobbies that you have or things you're interested in. For example, if a particular school has a strong classics department and you're interested in learning ancient Greek, mention that. Go through all these reasons in two to three paragraphs.

State what you will bring to the school. You want to avoid cliches like saying you're hardworking or highly motivated. Rather, you need to find new ways to express the positive aspects of your character without sounding like every other applicant. For example, if you are in fact hardworking, say something to the effect of, "I believe in conducting a thorough study, often completing more work or reading assignments than what the teacher assigns."

Close your essay with a quote from a famous leader, author or historian that addresses education. For example, Nelson Mandela's quote that "Education is the most powerful weapon which you can use to change the world" is suitable or something comparable.

Using the recipients’ names builds rapport with the reviewer. However, the other three forms of salutation are also acceptable, albeit less personal.

3.  Create a subject line                                                                                                                                          Write a subject line to make the reviewer know at a glance what the letter is all about. The subject line should be brief.  Example: Application for Admission to Music Major. If you are sending the application packet via email, repeat this line in the email subject.

4.  Introduce yourself, your purpose and your interests                                                                                      Use this section to give an overview of yourself to the reviewer. Keep this paragraph concise but rich in relevant content that will attract the reader’s attention. Help your audience form an image of you after reading your compelling background. Here are some of the things you can mention in your introduction:

• The program you are applying for
• Why you are interested in the program
• Your background and why you stand out
• Why you are choosing that institution

The entire introduction should be no more than one paragraph in length. Keeping it under five lines is recommendable as the reviewer may not have the time to read through winding prose.

5. Highlight your skills and achievements                                                                                                                  It is important to go over your best achievements so you can stand out amongst other program applicants. Also be sure to link your achievements with the program. Mention your qualifications and skills to convince the reviewer why they should consider you for admission. Here are a few topics you can touch on:

• Test scores you have achieved
• Your hobbies and interests
• Any interpersonal skills you have
• Your leadership abilities
• Any work experience you have
• Your mentors or notable references you have worked with
• Recognition and awards you’ve received

Depending on the level of education you are applying for, tailor your letter to fit into the above checklist. If you are applying for a graduate school program, it might be a good idea to mention your research interests. However, this may not be relevant for someone applying for admission to a junior high school.

6. Reiterate your interest                                                                                                                                              In this section, reiterate your interest in joining the program. Express a hopeful wish that you are deeply interested in joining the school to make your aspirations come true. Also, mention what value you would add to the school upon admission.

7 . Thank the reviewer                                                                                                                                          Express gratitude to the reviewer for reading your application letter. Invite them to read the rest of the application packet as well.

8. Closing salutation and sign                                                                                                                              Close your application letter with a professional salutation. Avoid excessively sentimental salutations as they could hurt your chances of admission. Remember the reviewer’s perception of your application letter is key in determining whether you move to the next stage of the process. Here are some effective salutations you can use:

• Warm regards
• Respectfully yours
• After the closing salutation, leave some space and write your name. If you are sending hard copies, write your official signature in the space. If you are sending electronically, you might use a digital signature or leave it blank.

9 . List the enclosures                                                                                                                                        Beneath the closing salutation, list the documents enclosed with the application letter. It is advisable to include them in the order in which they are attached or enclosed. Crosscheck with the school requirements to ensure that you have enclosed all that is needed

10. Proofread and save                                                                                                                                          Read through the application letter to identify any grammatical errors or poor formatting. Ask your friend to read over it as well to be certain the letter is perfect in all aspects. Here are some formatting tips to keep in mind:

• Use single-spaced text and block paragraphs
• Leave transitional black spaces between sections
• Align your letter to the left
• Use basic fonts like Times New Roman or Arial, size 10-12

You can then save and dispatch the letter along with the supporting documents through the recommended medium.

Any tips on what to write on school application form that might help swing it.

I am just about to apply for our DD to attend a Primary school. It is very popular, and not our nearest. She has attended their pre school since she was 2, other than that, I don't know what might help. Any suggestions?

read the admissions policy and look at the criteria. that's all they will go on. it's probably distance, your nearest school or some combination of and siblings. if she has any special needds that would be best met at that school you should get a letter from a doctor or whatever. is it a church school?

unfortunately the pre-school thing doesn't seem to be in the criteria around here.

Opinions vary as to whether, for state primary applications, they actually read the accompanying statements. There is a prevailing view that Local Authorities don't have time to do this, that they go entirely on the hierarchy of criteria (in our LA this goes Special Needs, Catchment, Distance), and that the provision for a written personal statement is just to make the parents feel better.

I see. hmmm just have to cross fingers then. Good plan to read the admissions policy.

Admissions are decided entirely by the admission criteria for the school. Most have a category for special medical and social needs. If you have evidence that would put your daughter in that category you should certainly put that down and provide any supporting letters you can, e.g. from your doctor. If you don't have anything to put your daughter into a higher admissions category it really doesn't matter what (if anything) you put on the form. Even if the LA reads it they aren't allowed to take it into account as part of the admissions process.

Unless you outline anything in your statement which is covered by the admission criteia, then it will be discounted. It will go something like; -SEN/looked after children -Catchment -Siblings Sometimes siblings come before catchment. The pre-school thing is irrelevant, as is your feel for the school, your DD's friendship groups. None of that will be taken into account.

MrsShrek - can you elaborate further - what year was this. Childcare reasons are not part of admissions criteria.

If it is a state school, then I would disregard the advice of any "insider" in the school: they don't actully get to deal with admissions at all, the LEA does that.

Is the school a church school....if so are they a voluntary aided or a voluntary controlled school.....the former make up their own admissions criteria and are more likely to be swayed by other criteria than a VC school, where the admissions are handled by the LEA. The only useful bit of a personal statement is when you go to appeal. That is when it may be read. I too doubt that the LEA will take anything about childcare/friends etc into account.

Church schools have to apply the admission criteria (and its usually done via the LEA). However they might be more flexible when it comes to appeal, as long as it isn't Infant Class size.

Church schools may have their own admission criteria which include things like church attendance. However, they are bound by the Admissions Code just as much as the LA schools, so they are not allowed to take into account anything other than the factors mentioned in their admission criteria. They are also required to set criteria that are clear and objective. Many church schools use appeal panels supplied by the LA so they are generally no more flexible on appeals than LA schools. Some (usually the ones that supply their own appeal panels) are distinctly less flexible at appeals! I don't know if there are any figures but overall I would doubt that there are any significant differences between church schools and other schools in terms of appeal outcomes. Of course, most primary schools now have their admission number set so that any appeal will be Infant Class Size, which means most appeals will fail. I agree with Cory that advice from "insiders" should be disregarded. Even head teachers are guilty of giving bad advice on admissions. No-one at an LA school has any involvement with the admissions process at all and my own experience suggests that most teachers and admin staff at schools do not understand how admissions work. Schools that are their own admission authority (most church schools, foundation schools, academies, etc.) have some involvement in that they are required to place the applicants in order according to their admission criteria, but the bulk of the work is still carried out by the LA. I would be amazed if MrsShrek got any priority by stating childcare as the reason for her choice of school, assuming it happened in the last few years. If she did I would encourage other parents applying for that school to appeal! As Cory says, childcare is not part of any admissions criteria. Childcare doesn't even make a good argument for appeal. The same is true of friends, transport difficulties, etc. The Admissions Code is clear that admission criteria must be clear and objective. There is no room in the admissions process for subjective judgements as to who is more deserving based on the reasons given by parents. If you look at the information provided by your LA, you will find the admission criteria laid out clearly. They will be entirely objective based on things like looked after children, special medical or social needs, siblings and distance. That is what is used to determine who gets admitted to each school. The only subjective judgement that has to be made is when parents argue special medical or social needs, in which case the authority must decide if the argument is justified. So, as someone who, for my sins, knows a lot about school admissions, I stand by my original advice that unless you are giving evidence that would put your child into a higher admission category you might as well leave the reasons blank. It makes absolutely no difference to your child's chances of getting admitted.

Sorry - credited the comment that childcare is not part of any admissions criteria to Cory. That should, of course, have been Tabouleh. My apologies to both.

As a chair of school admission appeal panels I would just agree with PRH. In certain very limited circumstances, like a medical condition, giving more information may well be an advantage in your application, outside of that it is down to the admission criteria being used. It would be wrong to assume that some schools have not in the past bent the system but this is now very rare. So whilst stories will always be told about how and why pupils were admitted they should be disregarded by parents as you cannot rely on them for admission to a school.

Review Reference Letter Samples

If you’ve never written a reference letter or you want to up your game, take a look at some samples first. You definitely don’t want to copy these word-for-word, but you might find some helpful phrases or get a better idea of the format you should use. We’ve included some sample letters below too.

Brainstorm Ideas First

Before you begin writing, do a quick brainstorming session and jot down your thoughts about these prompts:

• What three words first come to mind when you think of this teacher?
• List this person’s biggest strengths as an educator.
• List a few times when this teacher really impressed you.
• Has this person won any awards or accolades worth mentioning?
• What makes this teacher special compared to their peers?
• What would this teacher’s students say about them? What about parents or co-workers? (If you have examples, round them up to include in the letter.)

Personalize the Letter

If you can, try to write a letter that’s specific to the job the teacher needs a reference letter for. Find out what they’ll be doing in their new role or position so you can include the most relevant qualities in your recommendation. Some reference letters are more general, so it’s OK if you can’t personalize them to the job.

Ask the teacher if there’s anything specific they’d like you to mention. You may also ask if there’s anything they’d prefer to keep confidential. For instance, if the teacher has a disability, they may not want to disclose that information yet.

Write an Introduction

Introduce yourself and explain your relationship to the teacher you’re providing a reference for. Include information such as how long you’ve known them and whether you’re speaking as a colleague, coworker, mentor, or supervisor.

Verify Their Qualifications and Experience

In the next paragraph, speak to the teacher’s education, including any special certifications or professional development achievements. Mention any awards, honors, or accolades they’ve earned. You can keep this section fairly short; the teacher has likely listed all of this on their CV already. Your reference letter will just help verify these qualifications.

Highlight Their Best Qualities

In the body of your letter, write two or three paragraphs that really help identify what makes this teacher special. Don’t try to squeeze in everything you know; instead, think about what really helps the person you’re recommending stand out. For each paragraph, focus on one of these areas (or other relevant topics), choosing the two or three overall that seem most important for this person.

• Pedagogy skills
• Student and/or parent relationships
• Professional development
• Community relations
• Communication skills

• Personal traits, such as passion, enthusiasm, dedication, creativity, etc.

Provide Specific Examples and Anecdotes

This is where you really have the chance to make your letter valuable to the candidate. It’s easy to describe a person as “passionate about recognizing diversity” or “excellent at differentiating learning.” Without examples, though, these are just words. Try to anchor each quality you mention with specific examples or anecdotes that back up those words. Here are a couple of examples:

• “Alana is passionate about recognizing and celebrating diversity in her classroom. She frequently draws on her strong community relationships to bring diverse speakers and cultural activities to her classroom. Last fall, she organized an incredibly popular school-wide Diversity Fair where students and their families were encouraged to share their own cultures and experiences and learn from each other. One parent noted, ‘I’ve lived in this community for three years, but this is the first time I really feel like I know my neighbors.’”
• “One of Jamie’s strongest qualities is their ability to differentiate learning for their students. They’re always willing to determine what’s keeping a student from doing their best and finding new ways to overcome challenges. For instance, Jamie was instrumental in helping our school implement text-to-speech software that assists struggling readers and those who have visual impairment. This leveled the playing field in their history and geography classes, helping students focus on the subject at hand instead of spending too much time deciphering text.”

Conclude With a Strong Endorsement

You’ve come all this way, so don’t fall short at the very end! This is the time to state your personal recommendation in no uncertain terms. Sum up your major points, and offer to provide more information if needed.

• “I’m pleased to recommend Alana Whitmore for an elementary teaching position at your school. Her commitment to diversity, creative classroom approaches, and compassion for students and fellow coworkers would make her an excellent addition to any education team. If you want to discuss her qualifications further, don’t hesitate to contact me.”

Write Professionally and Proofread Carefully

This is a business communication, so strive for a professional but warm tone overall. If it’s a paper letter, use the standard business letter format (on your school letterhead if you’re an administrator). In an email, be sure your signature includes contact information such as a phone number and school address.

Don’t forget to proofread! A letter riddled with spelling errors and grammar mistakes is unlikely to hold much sway with a hiring committee or selection panel. Use a program like Grammarly to help you edit your letter until you’re satisfied with the final version.

Primary school offer day 2024: Everything you need to know

Parents of three and four-year-olds will soon find out what primary school has offered their child a place for the next academic year.  

The majority of pupils will be offered a place at one of their preferred primary schools, while most will be offered their top choice.   

Here, we explain everything you need to know about primary school offer day, from when you can expect to find out, to how to appeal a decision.  

When is primary school offer day and what time are school places released?   

Parents will find out which primary school has offered their child a place for September 2024 on  Tuesday 16 April.

The decision will be sent by the local council by either letter or email. Some councils allow parents to view their results through the admissions portal or system. Exactly what time the offers will be released varies by council.

How likely am I to get my first-choice primary school?  

We want parents to feel reassured when it comes to getting one of their top choice primary schools.

In 2023, 92.5% of families received an offer from their first choice of primary school and 98.3% received an offer from one of their top three choices.

At the same time, over 1 million additional school places have been created between May 2010 and May 2023, with many more in the pipeline.

What happens after I receive an offer of a school place?  

A parent or carer must formally accept the offer by the given deadline. This is usually set through the local authority’s admissions portal or system. You’ll receive details of next steps with the offer.  

Can I appeal a primary school placement decision?  

If you’re not offered your first-choice school, you can appeal the decision . However, even if you're appealing a decision, we recommend accepting the offer your child did receive so that they have a school place if the appeal is unsuccessful. Accepting another offer won’t affect your appeal or limit other options available to you.  

Parents or carers who want to appeal a decision should first contact the school’s admission authority, which is responsible for organising the appeal panel. Parents and carers can find their school’s admission authority by visiting their local council website:  Find your local council - GOV.UK (www.gov.uk) .  

The panel is independent and will look at the case presented by both the admission authority and the parent before coming to a decision.  

The decision of the appeal panel is binding – if the appeal is upheld, the admission authority must offer your child a place at the school.  

Admission authorities and appeal panels must comply with the statutory School Admission Appeals Code, which is available  here . Guidance for parents on the admission appeals process can also be found  here .  

How are primary school places decided?  

All schools have admission criteria to decide which children get places. This criteria is set by the school or local council.  

While all state-funded schools must give top priority to admitting children who are in care or have been in care, admission criteria is  different for each school. They may choose to give priority to children:  

• who live close to the school  
• who have a brother or sister at the school already  
• from a particular religion (for faith schools)  
• who are eligible for the pupil premium   
• whose parent has worked at the school for two years or more  

Your  local council  can give you information about a school’s criteria.  

Why has my child not been offered a place at one of their preferred schools?  

Some schools will receive more applications than places it has available and unfortunately not every parent will be successful. Priority must be given to those who most closely meet the school’s specific admission arrangements.  

If the local authority is unable to offer a place at one of the parents’ preferred schools, it must offer a place at another school.  

In the unlikely event that a parent does not receive an offer of a place on 17 April, parents should contact their local authority for further advice.  

Can I join a waiting list for my top-choice primary school?  

You can add your child’s name to the waiting list for any school that you’ve applied for. You should still accept the offer you received and this won’t affect where you stand in the waiting list.  

Schools must keep a waiting list for at least one term. The waiting list will be ordered by the school’s oversubscription criteria.   

In some areas, your child will be automatically added to the waiting lists of the schools you ranked more highly. In others, you must ask to be put on the waiting list. Check the school admissions section of your local authority website to find out how it works in your area.

Ready to Apply

• Unofficial copies of transcripts, and test scores are required for application evaluation purposes. If admitted, you will be required to submit official transcripts, diplomas/degree certificates, and test scores. Please do not send official transcripts until you have received a notice of acceptance from Texas Tech Graduate School.
• Provide Program Materials: In addition to transcripts and test scores, most Texas Tech graduate programs require supplemental materials for admission review. These materials may include (but are not limited to) items such as a statement of purpose, recommendations, writing samples, creative portfolio, etc. Supplemental materials are reviewed by the department only, not the Office of Graduate Admission. Please refer to the homepage of your intended graduate department as well as the instructions on the "Program Materials" quadrant on our online application to verify which supplemental materials are needed. You may also find the required material here.
• While you will be able to add to certain segments on the application (e.g. test scores) post submission, you will not be able to make revisions once the application has been submitted.
• Statement on use of generative AI: As an emerging research institution, Texas Tech University values exploring new technologies such as generative AI tools like ChatGPT. However, we value the applicant's unique voice in their personal statements, writing samples and other application materials. Should you use generative AI, it is important that the use only complements your original ideas and not be used to compose your work entirely. We hold prospective graduate students to the same academic integrity standards as our current students and applicants are expected to abide Texas Tech University's policy on Academic Integrity .
