1 Rehearse What You’re Planning To Say

Before you even give a good presentation, you need to prepare.

This part has two steps – to rehearse what you’re going to say and to prepare yourself mentally and emotionally. These two tips go hand in hand, but we’ll explain what each one is about individually.

Notice that we didn’t say “memorize your presentation.” There’s a big difference between memorizing a speech and practicing telling a story. The difference is that a memorized speech can end up sounding robot-like and practiced storytelling sounds effortless. 

You’ll be better off if you have at least a rough outline of your slides before you start rehearsing.

Section 1, Pause, Section 2, Pause, Repeat

It’s time to put them all to use.

5 Use Props

For example, if you made a joke at the beginning, make the same joke but with a fun twist. If you made a provocative statement, close it up with a similar statement or question about it.

Closing Statement

The last sentence you say will stay in your audience’s memory. At least until the next speaker takes the stage. If someone in your audience noted down your last sentence, you’ve hit the mark 100%.

Q and A Session – Yes or No?

Ending a presentation with a Q and A session is a bit iffy. If you ended your presentation with impact, a Q and A section can fizzle that out.

What you can do is ask the host to let the audience know that if they have questions, they can find you in the lobby for a conversation. For a digital summit, offer your Twitter handle where people can get in touch.

Some of the most common storytelling structures are:

  • Fact and Story – Go back and forth between facts and stories, or “what is” and “what could be.”
  • The Explanation – Inform about a process or plan to fix something or to learn something new.
  • The Pitch – Take your audience uphill over a hurdle and onto a positive resolution.
  • The Drama – AKA “The Hero’s Journey,” this follows the plight of a main character from beginning to end.

Delivering presentations is an everyday art form that anyone can master. To capture your audience's attention, present your information with ease and confidence. Act as if you are in a conversation with your audience, and they will pay attention to you. To get this level of fluency, write an engaging narrative, use more visuals than text in your slides, and practice, practice, practice.

Rehearsing Your Presentation

Step 1 Give it the

  • Deliver your summary to them in friendly, direct language, as if you were telling the story to a friend in a bar.
  • In fact, you can tell the story to a friend in a bar. However, telling a colleague over coffee can work just as well.
  • Get them to tell you what their takeaway was. If they can summarize your message accurately, that's a good sign.

Step 2 Practice your speech in front of a colleague while you're still developing it.

  • Ask them to be your coach.
  • Give them your presentation once or twice and let them ask you questions and give feedback.
  • Ask them to point out moments that are dull or confusing.

Step 3 Prepare for nerves

  • Write down what you're afraid of. What exactly worries you when you give a speech? Looking foolish? Being asked a hard question? Write down your exact fears, and then consider them each individually.
  • Think about what you will do in each situation. For instance, if your fear is, "I'll forget what I'm saying," you can prepare a plan like, "If I forget what I'm saying, I'll pause, scan my notes, and find the next important point I need to make."
  • Catch your negative thoughts, and calm them. If you think, "I'm going to get nervous and sweaty," replace it with, "I have important information to deliver and everyone is going to pay attention to that."

Step 4 Time yourself carefully.

  • Give yourself extra time if you plan to take questions, or if you anticipate lots of digressions.

Step 5 Practice repeatedly.

  • This doesn't mean sticking to a strict script every time. Instead, when you rehearse, improvise freely. Deliver your main points, but include quips and anecdotes that occur to you as you go. You'll remember the best ones when you actually deliver the presentation.

Delivering Your Presentation with Confidence

Step 1 Fake confidence.

  • Remind yourself that your audience likely can't see your nerves.
  • Take a deep breath and exhale before you go on stage.

Step 2 Show your emotion.

  • If there are too many people to really see faces, just look boldly into the crowd.

Step 4 Mind your body...

  • Move your hands as you speak. Don't wave them, as this will make you look nervous. Instead, try calmly gesturing with your palm out when you make a point. If you describe a shape, draw it in the air with your hands.

Crafting a Compelling Presentation

Step 1 Think of your presentation as a story.

  • Have a clear through line that runs through all parts of your presentation, leading to your main point.
  • Include stories that put your listeners into a situation. Get their energy with tactile details (sound, sight, smell, taste, touch) and descriptions of an emotional state.
  • Include moments of reflection in which you share how you felt or feel.

Step 2 Make your slides as visual as possible.

  • As always with humor in a work setting, remember that humor varies widely between cultures. Avoid making any jokes that make fun of anybody's sex, gender, race, class, or ability. Remember to "punch up"—if your jokes take someone on, take on someone with more power than you, rather than less.
  • If you get nervous, try starting your presentation with a simple joke or a funny story. It will put you and your audience at ease.

Step 5 Find ways to make your presentation interactive.

  • Ask the crowd to consider something or imagine something, and hold a moment of quiet while they do.
  • Interactive moments make great pivots from one section of your talk to another.

Step 6 Consider your audience.

  • Will these be experts, or newcomers to your ideas? If they're experts, you'll need to present them with specific, technical, and new ideas. If they're newcomers, plan to introduce them more generally to your topic, and avoid technical terms.
  • Will audience members be on your side from the start, or will they need persuading?
  • Will you have a large, faceless crowd, or a small group? If you're working with a small group, you can include them in parts of your presentation through questions, personal digressions, and conversations.

If you're worried about delivering an effective presentation, go over your notes again and make sure your presentation is telling a story with a distinct beginning, middle, and end. This type of structure will make it easier for people to follow along, and when you finish your presentation, they'll be more likely to remember what it was about! If you're still unsure, try practicing in front of other people before the big day. By rehearsing your presentation in advance, you'll not only feel more comfortable when you present it in front of an audience, but you can also get helpful feedback from your peers to make your presentation even better. Alternatively, if you're feeling a little nervous, identify what exactly you're afraid of happening during your presentation, and then come up with a plan for each scenario so you're less stressed about it. 10 Tips For Giving Effective Virtual Presentations

What to know before you go live.

As audiences go global and you need to reach more people through technology (including webinars, conference calls and teleconference), you must consider the challenges to connecting with a virtual audience. Here I pinpoint 10 valuable best practices to ensure you communicate successfully.

1. Be Brief

Audiences begin to lose attention after roughly 10 minutes of hearing from the same presenter. If you have more than 10 minutes of content, use interactive activities to keep your audience engaged (for example, take a poll, give quizzes, or ask audience members for their opinions via chat).

2. Be Simple

Keep slides simple — avoid too many words, graphics and animation features. Less is definitely more!

3. Be a TV Personality

Look straight into your camera, not the screen. Wear clothing that is neutral in color (no plaids or stripes). Light yourself well and from above. Be mindful of what appears behind you in the background. Invest in a good microphone.

4. Be Standing

Even though your audience cannot see you, stand when you present. This allows you to stay focused and use good presentation delivery skills such as belly breathing, vocal variety, and pausing.

5. Be Prepared

Practice delivering your presentation with your technology in advance of your talk. Make sure all of the features of the technology work. Record your practice using the recording feature of your tool. Watch and listen to learn what works and what you can improve.

6. Be Assisted

Have someone available to deal with technical issues and to field email/text questions. Also, if you have multiple remote audience members in one location, be sure to pick one of them to be your “eyes and ears.” Ask them to queue up questions and facilitate discussion on your behalf.

7. Be Specific

Ask pointed questions to avoid too many people answering at once. For example, rather than ask, “Are there any questions?” try “Who has a question about the solution I provided?” Set a ground rule that people state their names prior to speaking.

8. Be Synchronized

Transitions are critical. You must connect what you just said to what is coming next when you move from point to point. Transitions between topics and slides are good opportunities to get people reengaged to your talk.

9. Be Connected

Imagine your audience even though you can’t see them. You can place pictures of audience members behind your camera so you can look at people as you present.

10. Be Early

Encourage your audience to access your call or webinar in advance of the start time so you can iron out any technical issues in advance and get them familiar with the technology.

10 Tips to Make Your PowerPoint Presentation Effective

You may have heard of the famous 10/20/30 rule , devised by Guy Kawasaki , for designing presentations. This rule states that using 10 slides in 20 minutes at a 30 point minimum font size is the most effective presentation strategy—but what does this really mean?

The most important thing to remember, particularly if you’re using PowerPoint to convey your message, is to keep your audience in mind when preparing your presentation. Your audience wants a relevant presentation, not just something that is visually appealing .

A common mistake speakers make when designing PowerPoint presentations is being too passionate about it that they put everything they know into it. In trying to get their point across, presenters tend to use complex jargon and impart too much information, leaving the audience confused about the actual purpose of the presentation.

So how can you simplify your information but still convey a powerful message to your audience?

Here are 10 suggestions:

1) Cut out the wordiness

Ironic as it may seem, an essential part of proving a point is to use a minimal amount of words per slide so that the audience is focused on you, not on the screen. It’s rather difficult for any kind of audience to read texts and listen to you at the same time. If you have longer statements, break them down into multiple slides and highlight the key words. This doesn’t mean you limit your content to dull, boring facts. Feel free to incorporate anecdotes or quotes as long as they’re relevant and support your message.

2) Add pictures

Instead of more words, supplement your ideas with vivid imagery. Again, the key is not overusing photos to the point that it makes your presentations look unprofessional. Photos should only be used if they promote or emphasize the main idea of your slide.

3) Use appropriate animation

Like pictures, use animation only when appropriate and only if you’ve completely rehearsed your presentation with the animation flow. Otherwise, they will be distracting and will make it appear that you’ve designed your presentation in poor taste.

4) Don’t overuse numbers

As with words, minimize the amount of numbers you present in each slide. If you have charts that summarize the total figures toward the end, then you no longer need to fill up your entire chart with the little numbers on the scale.

5) Use large fonts

Aside from the obvious reason that larger fonts are more readable, size dictates the impact of your message and a larger one makes it easier for your audience to clearly grasp what you’re saying or want to highlight. Aside from font size, pay attention to the spacing between paragraphs, rows, and columns; you don’t want your text to appear jumbled.

6) Maintain consistency

The whole objective of your presentation is to drive home a point, not to make your presentation look cheesy. Keep your font sizes and the size and format of a box on one page consistent throughout your slides.

7) Limit bullet points

Keep your bullet points to a maximum of 5-6 per slide. In addition, the words per bullet point should also be limited to 5-6 words. It’s also wise to vary what you present in each slide, such as alternating between bullet points, graphics, and graph slides, in order to sustain the interest and focus of your audience.

8) Choose colors and contrast effectively .

Use bold colors and high contrast. A color may look completely different on your monitor than it will when projected on a large screen.

9) Tell a story

Everyone loves a good story , especially if it’s something that they can easily relate to. A good story begins with a problem and the more irritating the problem is for the audience, the more effective your presentation will be once you’ve provided a possible solution for them.

10) Be flexible

In order to develop a strong connection with your audience, you need to be flexible with your slides. During your speech, you may feel that some slides have become unnecessary; therefore you want to prepare your presentation in such a way that you can easily interchange or eliminate them. Conversely, prepare some optional slides in anticipation of questions or ideas you expect from your audience. This will give your presentation the “wow” factor.

When using PowerPoint to deliver a PowerFUL point, your goal isn’t to design the best presentation but the most effective one. This means creating a presentation that your audience can connect with through interest, participation, memory recall, and ideally, learning something useful.

Do you have an online presentation coming up? I’ve given hundreds of virtual presentations, ranging from YouTube presentations to presentations for Microsoft. And from my experience, online presentations are a different ballgame than in-person ones.

In this article, I’ll share my top 12 tips and tricks to save you the trouble and ace your next presentation.

An online presentation is a prepared speech or talk in which a person or group provides information, pitches a new idea, or introduces a new product or service through a video call. Online presentations are given to an audience, usually in a business setting.

Ready to take a dive into the tips? Let’s go!

Start With Momentum

Virtual presentations are like taking a flight on an airplane. The beginning and ending are super important, but the middle’s kind of a blur. 

That’s why, if you’re going to prioritize any part of your presentation, you are better off spending the majority of your energy on the first and last minutes. Let’s focus on the first moments.

The beginning of your presentation is critical because it sets the tone—a good first impression makes you feel confident and your audience relaxed. This forward momentum will carry onto the middle part of your presentation where you’ll be presenting the bulk of your data/statistics/information—so if you don’t nail your first impression, you won’t gain that forward momentum you need for the rest of your presentation.

And believe me, people judge you almost instantly! Here’s what the science has to say about first impressions:

A 2017 University of Toronto study found that observers take as little as 5 seconds to determine whether a person is charismatic or not!

So when you’re delivering a presentation online, you should try to make your beginning as error-free and smooth as possible. This includes being prepared and removing potential roadblocks:

  • Fix computer errors: ALWAYS double- or triple-check your equipment before giving a virtual presentation. Make sure your microphone, webcam, and internet is working. If you have to fumble around with technical details during the video call, your audience may have the impression that you are unreliable.
  • Eliminate distractions: Silence your phone, turn off desktop notifications, get rid of loud fan noises, and make sure your room is kid/dog free. Keep in mind that your audience will likely be listening through their headphones, so even the tiniest of noises might be heard.
  • Dress appropriately: Here’s an easy one that some people actually neglect. Have you ever been in a situation where you feel like you should have worn something a little nicer ? If you are giving a business presentation, dress in business appropriate attire (yes, even the pants, too!). It’s best to match your audience—and if in doubt, err on the side of professional! It’s also important to wear a color to stand out from your background, but not a color that’s too distracting.
  • Be happy: Like it or not, we can’t hide our emotions. Research shows that people can hear your mood from your voice. So if you’re not in a good mood, try boosting it! Watch some funny YouTube videos or give yourself a small pep talk . Sounding confident and happy is the key to success, so make sure you are in the right mood before you go live.

What does this really bad spelling of Isaac stand for? IISSAAQQ stands for the best ways to start an online presentation:

  • Icebreaker: One of the best ways to open up your audience is to give a virtual icebreaker. I always keep an icebreaker on hand that can be done over the computer before starting any online presentation—it’s one of the best ways to connect with your audience!
  • Illustration: You can say to the audience “Remember when…” and provide a picture, or paint a scene by telling the audience to imagine a scene when xyzzy occurred.
  • Short story: A short personal story or story about someone else can really grip people, but the key is to make it short and not drag on.
  • Statistic or surprising fact: A really good statistic can get people thinking and challenge their perspective.
  • Aphorism: An aphorism is a common phrase or saying, such as “an apple a day keeps the doctor away.” Add a twist to the aphorism for added effect (“an apple a day keeps the doctor away… except if you’re sitting with an apple computer for 8 hours a day.”
  • Analogy or metaphor: Saying an analogy (“User interface is like peeling an onion”) can really break down complex terms into more simpler ones, making it more digestible for your audience.
  • Question: Starting with an engaging question can add a great amount of audience engagement, or even asking a rhetorical question can get them thinking out-of-the-box.
  • Quote: A great way to start your online presentation is with a quote–but it should be related to your presentation and from a credible source.

End With a Bang

The ending is the part where your audience is (hopefully) happy that the presentation is over, and they feel like they’ve learned something or feel inspired to change. If you’ve made it this far in your presentation, the LAST thing you want to do is crash and burn. So here are some tips to make an amazing presentation that will remain in your audience’s mind long after it has ended.

  • Have an easy solution: The last few slides of your presentation should not be too information-heavy. Keep that for the middle. Your last slides should be both convincing and easy-to-understand.
  • Have a clear ending: Avoid the awkward “So, does anyone have any questions?” moment by providing an end slide to your virtual presentation. It can be a simple recap of the presentation, or a call to action.
  • Include a digital goodie: Include a digital goodie at the end! Everybody loves getting things, and it shouldn’t stop just because you are online. Digital goodies might include a downloadable PDF or document that includes more statistics/research or a list of relevant sources related to your presentation.
  • Lead with a call to action: Calls to action are driven by emotion. And they work because we often respond to emotion over logic. If your business is proposing a new solution to an existing problem, try focusing on the emotional benefits vs. the statistics—happier customers vs. less product returns, cleaner world vs. smaller carbon footprint, etc. You can also try this double method: start with the negative, which amplifies the potential bad that might happen if your recommendation is not taken. Then, you can add in the positive, which highlights the good that can happen when your recommendation is taken.
  • End with humor: One of the best ways to end a presentation is to use humor. If you do it right, you can leave a HUGE impression on your audience that will last for days, weeks, or months! There are a few ways to end with humor. First, you can introduce a question in the beginning or middle of your presentation and answer it in a funny, surprising way at the end. Second, you can end a story you started but stopped in the beginning or middle of the presentation. Some really good people to draw inspiration from are stand-up comedians. One great example of callback humor is in the movie, Airplane! In the beginning of a movie, a passenger enters a taxi. The driver tells the passenger to wait for a bit, but the driver never comes back as he ends up on an airplane instead. In the closing credits, this scene is played, which recalls the intro of the movie in a funny but memorable way:

Show Your Face

Did you know that faces are attractive to humans? A study by Richard Fantz demonstrated that infants stare twice as long at human faces! We are just inherently born with an attraction to faces. In short: we love human faces, and yours is no exception.

If you’re giving an online presentation or even getting on video call for the first time with your new online networking contact, a super-easy bump in your likability factor is to simply show your face. Many video call programs such as Zoom or Skype allow you to share your screen while also showing your face. Pro tip: you can even take it up a notch by backing up your webcam. This allows you to show your body language better! In fact, one of the most important nonverbal cues for charisma is your hand gestures . In the Toronto study mentioned earlier, the observers didn’t even need to hear a presenter talking; all they needed to do was see their body language! That’s how powerful body language really is. So push back your computer or phone or camera so your hands and upper torso are showing!

When you use your hands, you can also benefit from the following:

  • Showing your wave hello (I ALWAYS do this!)
  • Your explanatory gestures while you are speaking
  • Visible hands while you are listening

Stand, Don’t Sit

Sitting is great. Standing is even better! One big mistake a lot of virtual presenters make is sitting down instead of standing. 

When you stand, you can utilize the full range of your deep breathing, therefore increasing your vocal power . You’ll be able to project your voice louder and deeper, and have stronger vocal variance when you stand. Standing also helps you naturally convey a more powerful posture if your chest is up and your back is straight.

If you can, try to utilize a standing desk to your advantage! If you don’t have a standing desk, you can use your kitchen counter or another higher position to place your laptop. If you absolutely must sit, remember to keep your back straight throughout the presentation.

Does your online presentation contain a juicy tip, great piece of advice, or free goodie?

Consider giving it out in the first 5 minutes of your presentation rather than keeping it until the end. This will give your audience a little dopamine boost of motivation to continue listening to your presentation!

Leverage Visuals to Your Advantage

Have you ever wondered what is the best way to use visuals in your online presentation? Visual aids are used to:

  • engage the audience
  • allow the audience to remember the information
  • axplain complex ideas in easier-to-digest ways
  • add variety to your slides

I try to use visuals in ALL of my online presentations! The thing is, it’s really hard to keep your audience engaged and distraction free, especially if they are online. So if you’re boring your audience by using long lists of words… your message won’t be getting across. According to John Medina, author of Brain Rules :

  • If we only read text, we are only likely to remember 10% of the information 3 days later.
  • If we add in a relevant image, we are likely to remember 65% of the information 3 days later!

So there’s no easier way to have your information remembered than to add visuals! Here are some examples of visuals you can use in your presentations:

  • stock photos
  • Youtube videos
  • hand-drawn pictures

In my articles, I like to use hand-drawn stick figure comics. That’s because they’re both funny and engaging! They also help nail down important bits of information I want my readers to take away. 

For example, here’s a random fact that you may not have known:

Alligators don’t only eat meat; they eat fruit, too!

Interesting, right? Now here’s an image to really drive in that fact:

I know, it’s not the best picture ever (I blame my lack of art skills!). But see how adding a simple image can really solidify a piece of information? You’ll remember this fact a lot longer by seeing an image rather than just by reading or hearing it. 

Now take the power of visuals and use it to your advantage—if you’re giving a business presentation online, sprinkling in a few key visuals throughout your presentation can help you drive in those really important points. 

If you’re debating whether you should use a visual, here’s a quick checklist to ask yourself:

  • Does my visual help the main point of the slide?
  • Is my visual appropriate for the audience?
  • Is my visual too distracting?
  • Does my visual help the audience understand complex information better?
  • If a video, is it too long or short?

If your visual doesn’t meet one of the above checklist items, it’s best to cut it. And here’s something important you can write down for each visual you add into your slide:

The purpose for this visual is to ___.

If the purpose is not clear enough, consider removing the visual. Remember: visuals should only ADD value to your slide, not take it away.                                                                           

Add Interaction

A major downside to online presentations is that it’s hard to engage your audience. Besides nicely-placed visuals, you can add an element of interaction to your virtual presentations to make your audience more interested. Here are some interactive presentation ideas:

A great way to increase audience engagement is to use physical props. 

How do you use props in an online presentation? Props should be used to explain a difficult concept, demonstrate a product, create humor, or be memorable. They should always support your presentation, and not distract from it. And the key to using online props is to first make sure that people can actually SEE your prop.

This means if you are in a video call, avoid using small objects that everyone can’t see. If you need to, you can momentarily stop screen sharing and turn to your live video feed so the audience can focus on your prop. 

Pro tip: Don’t show the prop until it is needed. A bad move is to give away the goods and immediately take them away, causing your audience to remain in suspense and be distracted throughout your presentation!

Host Quizzes and Polls

One cool thing you could do during your presentation is to include your audience’s opinions using surveys. If I’m giving a presentation, I can insert a little quiz with a list of possible answers which my audience can then vote on. It’s really interesting to see how many people pick the right (or wrong) answer!

Live Q&A’s

One technique I love to use for better interaction is to simply ask questions!

For example, if you have an existing product you are discussing, you might want to ask your team, “What are some common customer complaints about this item?” Your team will then give their answers, pitching ideas of some common customer complaints.

Here’s where it gets good…

You can then go to the next slide that addresses these problems individually. Bam! You’ve done two things: 

  • You added interaction, and 
  • You provided a nice transition to the next slide. 

Niiiice, a two-for-one combo!                

Cut the Presentation Bologna

What happens when you talk about the same things over and over again in a presentation? One bored audience, that’s for sure. And a whole lotta bologna on the side.

Repeating the same stuff. Facts that don’t need to be there. Extra words that make your eyes tired or are difficult to read.

I call this stuff Presentation Bologna. And it’s NOT the good kind of bologna (is there even a good kind?). Presentation Bologna includes:

  • bullet points not relevant to the slide’s topic
  • statistics or facts that reinforce already-existing data
  • visuals that take up space rather than contribute value
  • “fluff” words, or extra words that can be cut from a sentence without changing the original sentence’s meaning

Your goal is to make your presentation slides as small as possible, while retaining the most essential information possible. You can even write down notes on notecards to help assist you in explaining the points you have in your presentation or memorize what you will say altogether.

Online presentations should be simple and straightforward, like live presentations. The biggest difference here is that your audience will likely be straining their eyes, trying to look at their (potentially tiny) computer screens while you are giving a presentation.

That’s why it’s essential to cut the bologna. I usually do this step after creating the bulk of my presentation, but before practicing my presentation. Speaking of practicing, let’s move on to the next step…

#Screen Record Yourself         

The great thing about giving online presentations is that you can practice everything in the comfort of your own home. You can practice in the same room you’ll present in, with the same lighting, with the same computer setup, and everything. When practicing, make use of the screen recording feature! Screen record is an absolute must, especially for virtual teams . Most newer Mac and Windows computers have a built-in screen record feature already. 

When going over your video recordings, take careful consideration of the following:

  • Do I use too many/not enough hand gestures?
  • Is my body language unnatural or distracting?
  • Do I sound loud and confident enough?
  • Do I have any technical issues?
  • Am I under the time limit or going over?

You can even send your presentation over to a friend or family member for them to review at their convenience. Yay for technology!                                                                                                                                                                                                                                                                                                                      

Pick Your Presentation Tools

When giving an online presentation, you have to have the right tools for the job. There are a lot of presentation tools out there—tools exist for: 

  • making your own animations
  • creating Infographics
  • planning conferences
  • creating mind maps
  • finding great images for your slides
  • making your entire presentation

Depending on your needs, you’ll need to choose the right tools for your virtual presentation. I recommend choosing one tool to create your presentation and adding in visual tools along the way, based on your needs. Here are 5 of my favorite online presentation tools I use:

Pixabay is by far my most favorite image-finding tool. This site has over 1.7 million free, high-quality stock images and videos you can use to insert into your virtual presentation. Using a stock image is a great way to break up text, add a little emotion, and make your presentations a little more exciting.

When I use Canva, I feel like I’ve been given a magic design wand. That’s because there are a ton of free infographics, logos, pictures, posters, and even presentation templates you can use and customize to your heart’s content. And they’re surprisingly high quality for being free! Canva  even has a section for Zoom Virtual Backgrounds that you can add to your video call when giving your online presentation!

Did I mention it’s free? I use the Premium version, although the Free version is great, too!

  • Poll Everywhere

Here’s one that I mentioned earlier in the article. This is a great software I use to create live polls and quizzes for my virtual presentations! Whether it’s a multiple choice quiz, true/false test, or just a general Q&A poll, users can participate on their computers, phones, or tablets! It’s super easy to use and integrates easily with Keynote as well.

Want to eliminate distracting noises completely? Sometimes that’s not possible. But the closest thing I have found to help is Krisp. Krisp is a software that’s free to use (up to 120 minutes a week!) and works by blocking out all background noises so only your voice can be heard by other conference call members. You can download and install it, but I use the Chrome extension! It’s seriously worth giving a shot if you’ve got loud noise in the house.

Here’s the golden question: Should I make a Keynote online presentation, or a Microsoft PowerPoint one? Since I have a Mac, I use Keynote. It’s intuitive, easy-to-use, and it’s built into all Mac computers already. Keynote has a ton of presentation templates you can use, and you can even create tables and charts in the app itself! For me, Keynote is a must for my presentation-creating needs.

Embrace The Fear

Have you ever been skydiving? Even if you haven’t, you can just imagine that pit-in-the-stomach feeling of jumping out of an airplane. And if you shy or a natural introvert , giving presentations is not so different than skydiving.

After giving hundreds of presentations—both in-person and online—my best piece of advice to those with presentation anxiety is to give up on trying to get rid of that fear. That’s because that fear will probably never go away . 

But here’s the silver lining: the fear does get better. The more you give presentations and get comfortable speaking in front of people, the less giving presentations suck . If you hate giving presentations like I once did, you might even turn to love them—once you learn how to walk with confidence and have the power to influence the way people think, you feel like you’re on top of the world! 

And that pit-in-the-stomach feeling? It changes to a good fear—the kind that makes you look forward to giving presentations! And the more presentations you give, the better you get.

Don’t mind the informal me, I just seem to love that ‘down-to-earthness’ – I personally believe that such disposition is a better facilitator of effective communication.

Without much ado, I am going to share with you some ideas on what I can safely call most people’s nightmare (next to examinations, of course) – An oral presentation.

Organizations and other platforms have also come to discover the essence of an effective oral presentation. How it can move an employee from a zero state of mind to an excited state of mind after a brief but powerful presentation.

1. Know the content

Nothing breeds confidence like competence and nothing breeds competence like preparation . Being vast in and thoroughly familiar with whatever the subject of a presentation will, in no small way, reinforce your sense of having something genuinely interesting to offer.

With this in place, the presentation ceases to be a mere talk or some kind of recital. It indeed becomes an active engagement of the audience on a journey of discovery. All you need do is just visualize yourself as a tour guide or a curator in a museum.

All you need do is to relate antecedents, history, origins, facts, figures and aspects of the subject matter in such a way as to stimulate their imagination.

You lead the audience on, not exactly projecting yourself but helping them see what needs to be seen. You wouldn’t want to go to the stage and destroy the expectations of people eagerly waiting to listen to you.

2. Define the purpose of the presentation

A presentation isn’t just a list of random facts. It makes a specific point, just like laboratory reports or essays.

Without a clear purpose in mind, your presentation will most likely be a jumble of unorganized factual information, putting your audience in the dark about your true intent.

What is the most important message you want to convey to the audience? Consider this to be the idea or theme of your presentation.

Your presentation’s goal(s) could include, but are not restricted to, trying to inform, inspire, or persuade.

Remember that what you say as well as how you say it must be consistent with the presentation’s goal.

3. Be natural

The mistake a lot of presenters make is thinking that great presentations are all about big vocabulary and sophisticated terms.  

May I indulge you in a different perspective – great presentations are all about presentations done in the most natural way. Be calm, relax and flow effortlessly .

Do your presentations like they are your daily routines. Help your audience feel like – “yes, I agree with what he is talking about”.

Rather than trying to charm the audience with a sophisticated style, be more committed to capturing their imagination through simple cues and vivid expressions.

There is a child in everyone, no matter how old. If possible, add a little humour here and there but try not to overdo it. Ensure you stay on track.

4. Invoke curiosity

This aspect is what makes your audience hooked until the end of your presentation. They want to know where you are headed. They can’t risk being distracted until you finish. All you need do is reawaken that curious infant in the brief moment of your presentation.

It is for this reason that presentations adopt visual aids and graphical tools. The world-famous PowerPoint computer application also goes hand in hand with projectors – large screens for a clearer, broader view.

Where else is such pervasive attention given to pictures and descriptive tools apart from a kindergarten? Such applications show that there is a childlike nature in every man. Invoke it!

5. Get your audience involved

Get your audience involved in your presentation. Don’t stand behind a lectern all through, tale a brisk, confident walk and project your words into the minds of your audience. Don’t let the lectern come in between you and the audience.

Try to get your audience out of their seats, laughing, raising hands or even standing by your side to make an analysis. Getting your audience to laugh is not as difficult as you might think. For example, you might try, “Ladies and gentlemen, I was told to announce something very critical to the success of today’s event. Even though I don’t think it’s my place to begin my presentation with an announcement that has nothing to do with my topic.”

“Anyway, I’ve been asked to tell you that in the event that you laugh too hard, don’t cause a stampede or fart too loud.” 😆

6.  Gesticulate

If you can request a cordless lavaliere mic, pls do, so that you can be as flexible with your hands as possible. A handheld mic might become tiring if your presentation takes a while.

Your audience will only remember 30% of what they hear & see but 70% of what they do will stick to them forever.

7. Project your words

Two things that can make your projection so vivid and impactful are a clear voice and clarity of communication. Try to emphasize the last sound of each word which will help you to sound very polished. This may sound odd to you when you start but eventually sound normal as you get used to it.

8. Take a pause

I cannot stress this enough. Take your time to pause! It kinda helps your audience to brainstorm, evaluate and re-evaluate. You shouldn’t say more than six to eight words at a time without a pause. As longer sentences reduce readability, longer spoken words also reduce absorption.

Use a full voice, then pause. Think of great speakers that utilized a full voice and paused. They did efficiently well. Such presentations drop some value within you.

9. Use acronyms

After you have written all the words on index cards, try to think of an acronym or Slang abbreviation that has every point you want to talk about. Use this strategy to keep your presentation in order.

For example, you may have written on a marriage/relationship index card – ask, support, kiss . Think of the first letter in each word and arrange them to ASK or any other word of your choice.

ASK will keep you on track this way:

A – Ask what he thinks

S – Support his opinion first

K – Kiss him when the discussion ends

You must have practised what you will say about each word beforehand. You will only use the acronym to keep track which the audience has no clue about. They will only think you are so perfect! If your oral presentation takes time and involves longer acronyms, you could keep your index card(s) on you just in case you get lost.

Such information is alike in features such as introduction, plot build-up, themes climax/anticlimax, a hero and his trials/triumph and so on.

And like a good storyteller or the mythical Pied Piper, the story or the music as the case is, becomes the object of the audience’s attention. The presenter is merely an intermediary.

11. Face the object

Sure, it is not bad to feel weird for a moment. Gain your confidence back by becoming the audience for a moment.

Face the presentation with your hands towards the slide, board or what have you? Making this brief move takes a whole lot of burden off as you see that you do not have to be the audience’s object of attention for a while.

You can use this moment to stealthily move from your weak points to your strong points as you gain your confidence back .

14. Take corrections politely

When it comes to delivering an impactful presentation, everyone wants to have a standing ovation– or at least a satisfied nod from your boss. What if we told you that you could be Tony Stark marching out after a speech, Jeff Bezos walking out of an Amazon meeting, and Harvey Spectre giving a riveting argument?

Dress to Impress

The first step occurs way before the actual presentation. You will never give an impactful, passionate, and serious presentation without the appropriate attire. Not only will it be confusing for your audience, but it may affect the way you speak and hold yourself.

Clothes hold power. Donning a sleek blazer, pressed pants, and a crispy-white shirt is like putting on your superhero cape. The clean, groomed appearance is considered traditional for the presenter to be dressed slightly more formally than their audience. This way, you’ll receive a dramatic boost in confidence, and you’ll have a unique air of authority that makes people compelled to focus on you.

Choose professional, clean clothes, an outfit that you feel comfortable in, can move around easily in, and won’t make you feel sweaty right before the showtime. This is not the occasion to break in new shoes that will likely hurt your ankle and pinch your toes, nor is it the time to try out that brand new shirt or blazer with a still stiff collar. It’s also not the time to wear something flashy that may steal the attention away from your message.

As a general rule of thumb, when in doubt, go for a classic business style.

Wield Body Language to Your Advantage

Whether you know it or not, and whether your audience knows it or not, body language makes or breaks a presentation. Your viewers will subconsciously notice if you’re hunched over, if you look closed off, and if you’re too cocky– all of which will affect your likeability level.

You are likable, and you’re telling an important story, but your audience may need a little help in realizing that.

Let’s break this down into a few small but notable things to improve your body language while presenting.

First things first, let’s take your posture as a primary example of how much body language affects everyone in the room. First of all, your posture also works to influence your voice, especially how loud or low it is.

You want to stand up tall and straight, yet aim for a natural position. It should be a given that no presentation is given while sitting down. And while standing may make you feel nervous or exposed, it grants you a feeling of authority over your listeners.

Now, your shoulders should be down and relaxed. Your head and chin slightly up and back.

No matter how tempting or comfortable it is, it’s essential to never give a presentation with your arms crossed over your chest. This gives off the vibe that you’re closed off and not at all connected with your audience. In contrast, you also shouldn’t have your hand placed on your hips. This will make you look bossy or arrogant.

So what can you do? And the more important question: what do you do with your hands during a presentation?

The answer is way more straightforward than you think. You just have to forget about your hands. Be natural. It’s as if you’re having a normal, one on one conversation with someone. You don’t think about what you’re doing with your hands then.

You can use several hand gestures and movements not only to appear confident but even further to capture your audience’s attention.

Use these hand gestures when you need to emphasize and draw attention to something special during your presentation. Move around a little. That will help you relax.

Here are some don’ts of body language during a presentation:

Don’t place your hands in your pockets. Studies have shown that people tend to trust others more when they can see their hands.

Don’t nervously fiddle. That means rolling loose change in your pockets, playing with pens, et cetera. While it may be an outlet for your nervous energy, it’s actively making your look nervous, which will be disconnecting and distracting for the audience.

Sprinkle in Some Humor

Still nervous? It’s important not to take yourself too seriously. A few witty lines here and there makes you endearing to your audience, even if you don’t get a few out-loud laughs. If you can make your audience feel amused and engaged, you have their attention in your pocket. Now, they’re more receptive to what you’re saying, which in turn makes you feel more reassured and confident.

Obviously, outright jokes aren’t recommended. Instead, try to go for an entertaining observation, use a couple of witty lines about the subject you’re presenting.

Use Take-Home Points

Have you ever attended a presentation that ended with you not knowing what on Earth that person was talking about? They didn’t have the secret we’re about to share: take-home points.

This is to ensure that your audience doesn’t go home, wondering what the point you were trying to reach for the past 20 minutes was. Before you go on stage, make sure you have all the ideas and main messages you want to stick into your audience’s minds and leave a lasting impression.

And right at the end of your no-doubt phenomenal presentation, summarise all your take-home points. Boom! You have left an impact.

Practise Makes Perfect

Sometimes, leaving a lasting impression after a presentation is credited to lots of practice. Whenever you have the time, practice that presentation as often as you can. Practice it to the point that you’re so familiar with it and the subject that you can deliver the content blindfolded– with ease —kind of how you would feel if you were talking to a trusted friend.

Also, if you have someone you trust that will provide useful feedback,  have a friend or a family member help you. Try at least one practice-presentation in front of them and have them give you feedback. If there is no one available, you can even break the tension a little by presenting your point to your pet. You’ll find them to be excellent listeners!

But jokes aside, if you want to deliver a passionate, rousing presentation, this is the way to go. It’s better than trying your luck at stalling or forgetting what you’re about to say.

Prepare for Your Surroundings

You can’t expect to effortlessly deliver a stirring speech, animatedly talking and gesturing, while you’re not familiar with the stage.

The more you’re prepared for your surroundings, the more comfortable you will feel, and the more confident and relaxed you will be. It helps to spend a little time in the space where you’re going to do the presentation. Take note of how the seating is set up, and make sure you know if there will be any distractions or obstacles in your path.

Have a Powerful Start

Our final tip takes us all the way back to the beginning of your presentation. As nerve-wracking as it is, presenters only have a few minutes at the start to grab their audience’s attention and not only that but to hold it.

A strong start to your presentation should be entertaining and riveting. Introduce yourself later. You’ll have a grace period before the audience starts losing focus.

Still, don’t forget that most audiences will be sympathetic. Remember that part when we said over 75% of the world suffer from fear of public speaking ? That equates to people being more patient when listening to nervous speakers. That also means that– unlike what you may think– your audience won’t burst out in mocking laughter or point fingers at you if you misstep or make a mistake.

What you do is to take a deep breath. Yes, you feel nervous at the moment. That’s okay . It’s just important that you don’t let your muscles tighten up and hold your breath as a result. Take a deep breath and step on stage with confidence.

The last step? Smile. Smile even if you feel anxious. Even the simple act of turning your lips up increases happy endorphins, making you feel good about your presentation. Your audience will also warm up to you. Don’t worry. You’ve got this!

In today’s COVID-19 world, virtual meetings and presentations have become the norm. While many presentation skills and best practices apply to both in-person and virtual presentations, expert virtual presenters understand the importance of adjusting their approach to match the medium. With in-person presentations, you more or less have a captive audience — you still need be engaging, but your audience is kind of stuck with you for the duration. But with virtual presentations, your audience has a greater opportunity to stray. You now have to compete for their eyes, ears, hearts, and minds against diminished attention spans, increased home and work life distractions, and conflicting priorities. 

Here are 15 expert tips to set you up for success in your next virtual presentation:

1.     Get the Lighting Right:  As a presenter, it is essential that people can see you well. Make sure you have good front light—meaning the light shines brightly on your face. If your back is to a window, close the shades. While natural light is often the best choice, if your home office doesn’t have natural light and you do a lot of virtual presentations, consider purchasing supplemental lighting to enhance your image.

2.     Choose the Right Background:  Try to use a background that enhances your professional image and is aligned with your message. Avoid a cluttered background or anything that can be distracting. Learn whether your presentation platform enables you to use virtual backgrounds (like Zoom) or whether you can blur your background (like Microsoft Teams). Your background can either add to your professional presence or detract from it.

3.     Know the Technology:  Nothing kills a presentation faster than a presenter who fumbles with the technology. This is a performance, so make sure you know how to make it work. A dry run is essential so that you’re comfortable with the platform features. It’s best to have a co-host (or producer or moderator) assist you with the technology so that you can focus on your presentation. Make sure you practice with the same technical set up (computer and internet connection) that you will use when you deliver the presentation.

4.     Play to the Camera:  When you are the one speaking, look directly into your computer’s camera , not on the screen or at the other participants. This takes some practice, but it makes the viewer feel as if you are looking right at them. Some presenters turn off their self-view so that they aren’t distracted by their own image. Put the camera at eye level . Try not to have your camera too far above or below you. If it’s too low, then you run the risk of creating a double chin. A camera too high makes it difficult to maintain eye contact, as you may find your gaze dropping as you speak. If you are part of a panel or a team of presenters, make sure you are aware of when your camera is on. If you are not speaking but your camera is on, make sure you look like you are paying attention! Powerful presenters understand the importance of making eye contact with their audience, so this means you have to simulate the same effect virtually.

5.     Get Close (But Not Too Close).  You want the camera to frame your face, neck, and shoulders. People are drawn to faces, so you don’t want to lose that connection by being too far away, but you also don’t want your face to take over the whole screen like a dismembered head because, well, that looks weird. Practice your positioning and distance.

6.     Stand Up:  If possible, use a standing desk or position your laptop so you can stand at eye level with your computer. Standing up provides a higher energy level and forces us to put our body in a more presentation-like mode. If you have to sit, lean forward as you would if you were presenting at a real meeting or as if you were a TV news anchor. Avoid slouching away from the camera, as that sends a signal that you are disconnected from the audience.

7.     Be Animated:  Just like in a live presentation, you want to present with a little energy and animation. Too slow or too monotone in your voice makes it easy for folks to disengage and tune out. Keeping people engaged virtually requires you to actually be engaging.

8.     Pace Yourself:  Without real-time visual audience feedback cues, getting the pacing right can be difficult. Even though you want to infuse some animation and energy into your presentation don’t pump up the speed too much. If you tend to be a fast talker in real life, practice slowing down just a bit. If you’re a slow talker, you may want to speed up just a bit.

9.     Do A Sound Check:  If your sound is garbled, people will tune out. While people may forgive less than perfect video, if they can’t clearly hear you, they will leave. Practice with someone on the other end of the presentation platform. Make sure your sound emits clearly. Sometimes headphones or external microphones work better than the computer audio, sometimes not. Every platform is different, so make sure your sound quality is excellent every time. And again, you should practice with the same technical configurations and location that you will use for your presentation.

10.  Plug into Your Modem:  If possible, plug your computer directly into your modem using an Ethernet cable. This will give you the strongest signal and most stable internet connection. The last thing you want to happen during your presentation is to have a weak or unstable internet signal.

11.  Incorporate Redundant Systems.  If using slides, make sure someone else (another webinar co-host or producer) also has a copy of the slides just in case your internet goes wonky and you have to present by calling in. If you are using slides, make them visually appealing. Use high-quality graphics and limit the amount of text on each slide. It’s your job as presenter to deliver the content. The slides are meant to enhance your spoken words, not replace them.

12.  Engage Your Participants. Just as if you were doing an in-person presentation, craft your presentation to engage the audience. Incorporate chats, polls, raised hand features, etc. Try not to speak for more than ten minutes without some sort of audience engagement. Use the participant list to interact with your participants by name. Have people chat or raise a hand if they want to speak. Keep track of the order of people and then call on them to invite them to turn on their mics or cameras. 

13.  Let Someone Else Check the Chats.  Don’t get sidetracked by the chats during your presentation. You’ll be shocked at how distracting it is to your train of thought if you attempt to read the chats while speaking. Instead, have your co-host or producer monitor the chats. If you ask people to chat you answers or comments to a question you’ve posed, then pause your talking and engage directly with the chats by acknowledging them, reading them out loud, and commenting on them. 

14.  Evaluate and Enhance:  If possible, record the session and take the time to play back and look for areas that worked well and areas that you might want to improve upon. Great presenters, whether virtual or in person, understand the value of continually honing their craft. Be sure to acknowledge your strengths as well as your areas of improvement.

15.  Be Yourself and Have Fun:  Again, just like in face-to-face presentations, audiences connect to authenticity, so be yourself! Let your personality show through. Have fun. If you look like you’re enjoying the presentation so will others. In part one of this series,  Mastering the Basics of Communication , I shared strategies to improve how you communicate. In part two, How to Communicate More Effectively in the Workplace , I examined how to apply these techniques as you interact with colleagues and supervisors in the workplace. For the third and final part of this series, I’m providing you with public speaking tips that will help reduce your anxiety, dispel myths, and improve your performance.

  • Prepare for the worst, especially if you’re feeling nervous. Think about the worst that can happen, and then plan for those scenarios. For example, if you’re worried about a potential tech issue that prevents your slides from being shown, then bring a print out of your presentation with you. That way, you can still deliver your talk.

Research showed that 79% of people feel that “most presentations are boring.” So, how do you make a presentation fun and interesting for your audience?

This is one tip you’ll hear repeatedly, but that’s because it’s one of the most important. Hopefully, you should have given yourself enough time to rehearse your presentation, both on your own and in front of people you trust. This is how you’ll get valuable feedback to help improve your presentation in time for the day.

One of the main reasons for practising is because of timing. You will have a specific amount of time to give your presentation and need to keep to it. You also don’t have a lot of time to engage your audience before their minds start wandering elsewhere.

Here’s a few timing tips when rehearsing your presentation:

  • Time yourself each time you practice
  • Write a time schedule for each section of your presentation
  • Make note of slides you spend too long on, so you know where you need to cut down
  • Remember to leave some time at the end for questions
  • Keep in mind that, on the day, time may run over slightly. This could be because of tech issues, or your audience asks more questions than anticipated. The best way to prepare for this is to select one or two slides you can afford to skip if running out of time.

If possible, try to go to your presentation venue before the day for a practice session. This way, you can get to grips with technology, the size of the room, what your slides look like on their screen, and the feeling of standing on the stage.   • Start by remembering that the audience is on your side. They want you to do well and impress them with your presentation. They’re not there to poke holes in your talk.

  • Before you begin presenting, take a few minutes to yourself. Grab a drink, breathe, and remember, you’ve got this.
  • If you’re still worried about forgetting your lines, you need a quick sip of water, or you just feel like you need to slow down, you can pause throughout your presentation. It may feel like a long time for you to not speak, but to your audience, it will be a few seconds max. It’s not as painful as you think!

Start your presentation in a strong way

As mentioned earlier, your presentation needs to tell a story. So you need to captivate your audience quickly.

Think about the best way to start your presentation, not just with your slides but how you’re going to begin speaking. You don’t want to spend too much time on an introduction and should get to the first point of your presentation quickly, so think of one or two quick lines you can use to grab your audience’s attention from the start.

You could start by immediately stating the audience’s problem, or ask a rhetorical question, such as a ‘What if….’’. You can also use a hard-hitting statistic. Another idea is to start in the past or future, before jumping into the main body of the presentation. Think about how the presentation links back to lessons we’ve learned (or haven’t), or how it affects the future, and forecast that image to the audience.

This technique would also create a nice way to circle back at the end of the presentation – what does the future look like now you’ve presented your solution?

How to speak during a presentation

As we’ve mentioned before, your slides are secondary in your presentation. You need to speak well to give a memorable talk for your audience. However, this is also where your nerves can show.

If you’re feeling nervous and want to give a confident presentation, you’ll need to fake it till you make it. Here’s a few tips to help get you through:

Presentation Speaking Tips

  • Make eye contact as you speak. This will help you connect with your audience. However, if you’re too nervous to do this, try looking slightly above the audience at the wall behind them, or look at their shoulders instead. You’ll look like you’re looking directly at your audience, giving a good impression but making it easier for you.
  • Try not to talk too fast – this can happen a lot when you’re nervous. Remember, you can stop for a breather or a sip of water if need be. If you find that you’re speaking quickly when rehearsing your presentation, try and plan in strategic pauses, such as at the end of a memorable sentence.
  • Avoid going off on a tangent – always keep it short and sweet.
  • Also, end the occasional section with a teaser of what’s to come. This will help break your presentation down, give you a great opportunity to pause, and your audience is excited to learn more.

Think about your body language while presenting

Body language can make a big difference when giving a presentation. Your body language will engage the audience and present you in a confident way. If you’re slouching, keeping your arms folded or not smiling, you may alienate your audience and make them less interested in what you’re saying.

  • Remember to smile!
  • Stand with a good posture, so no slouching and relax your body, so you don’t appear tense.

  • Move around the stage. Standing in one spot can make you appear rigid and closed off. By moving around, you’ll seem naturally at ease. You’ll also act as another visual element for your audience.
  • Be as open as possible. Don’t fold your arms or hunch over, as doing so will make you appear smaller on the stage.

It can be hard to keep track of your posture during a presentation, especially when you’re focusing on how you are speaking. One way of keeping yourself in check is, when you’ve given yourself time to pause, use that moment to relax your shoulders. You’ll feel more comfortable for the rest of your presentation.

Ending a presentation on a high

Your audience will remember the beginning and end of your presentation more clearly than any other part, so the end of your presentation is important – you don’t want to undermine a powerful presentation with a poor conclusion.

Make sure you summarise your key points at the end – these can be listed as bullet points on the last slide of your presentation. But you also want to leave the audience with an image in their heads.

We mentioned earlier the idea of starting your presentation by looking to the future, so now is the best time to circle back to this. How has your idea solved the problem? Why is this better for everyone? Get your audience imagining a world with the knowledge you’ve provided, and leave them clinging on to that image.

Hopefully, you will have left some time for a Q&A session with your audience, but don’t forget to hang around afterward for those who’d like to speak with you one on one.

Collect presentation feedback

Collecting presentation feedback is a great way to evaluate the success of your presentation and improve on your skills. The key is to obtain valuable feedback, so you can actually act on people’s suggestions and take something from your overall presentation experience.

You want to collect a range of feedback from both your audience and event organisers. But it’s not just a case of collecting a few comment cards at the end – there are several ways you can gauge the success of your presentation.

Non-verbal feedback is how your audience reacted throughout your presentation. So try and think about the following questions:

  • Did your audience look bored, confused, or uninterested during the presentation?
  • Did they ask questions? What kind? Were more questions asked about one section than any others?
  • Did they laugh at any jokes you included?

If there was little to no engagement from your audience, then there’s a chance that your presentation didn’t hold their attention for long enough.

3 Essential Tips for Engaging and Effective Public Speaking

Speaking at conferences is a great way to get your message out there. It's not something to be taken lightly, though. I'm sure you've attended conferences and witnessed speakers who could have been better. To be a speaker that conference organizers and audiences wouldn't mind seeing again, follow these three tips.

1. Have clean slides

Don't clutter your slides with excessive text and visuals. Aim for one visual per slide and five bullets maximum. It's difficult to do multiple things at once. When there's a lot of text on a slide, audience members are more likely to read than listen. If they're reading, what's the point of you talking? Minimizing the amount of text on a slide does two things: It limits the speaker's options, and it limits the audience's options. As the speaker, you don't have the crutch of just reading your slides. You have to know your content well.

For the audience, it eliminates the option of them reading the slides. They either have to listen to you or ignore you. When there are multiple visuals on a slide, it is difficult for the audience members to know which visual to focus on. While they're figuring out which visual to look at, they may be missing out on important information you're saying. Slides with minimal text and visuals make it easier for audience members to focus on what's important--your speaking.

2. Tell stories.

I attended a lot of technical conferences when I worked as an engineer. Most, if not all, of the presentations I sat through consisted of data dumps of information. Perhaps, if you were deeply interested in the topic, a data dump would suffice. But it's a great way to lose people if they're not deeply interested.

To develop a more effective presentation, ask yourself why the data matters, and tell a story to answer the question. Even better? Tell the story behind the data. I once gave a presentation telling the story of how I cleaned cow bone samples with an industrial-grade Water-Pik (I had to get the samples clean enough to perform protein concentration testing on them). Describing the pungent smell of cow bone being cleaned was certainly enough to keep the audience's attention.

3. Stay within time.

I recall being at a conference, listening to a speaker. I looked at my watch. It was 11 a.m. I looked at the agenda. The presentation was slated to be 30 minutes. The speaker started at 11:05 a.m. The previous presenter ran long. The speaker ended the presentation at 11:41 am. Started late. Ended late. Can you relate?

Conferences have a schedule. Presentations have set times. During a session, when one presenter goes over time, the entire agenda gets thrown off. Subsequent speakers rarely shorten their talks to get the agenda back on track, so the session ends up finishing late and subsequent sessions start late. As a speaker who runs late, it's disrespectful to the conference organizers to go over time. It's disrespectful to the audience too, as you're not respecting their time.

To avoid this issue, practice your presentations so that you finish a couple of minutes before time. That way, if you say something during the presentation that you didn't practice, you can still finish within time. Plus, if the previous speaker goes over time, you can still finish within time and get the schedule back on track. Find yourself significantly under time after finishing your presentation. Ask the audience if they have questions. If they don't have any, have a set of questions that you're prepared to answer. Here's how you can queue the question up: "I thought about questions you might have. Here's one of them." Then, state the question and give the answer. Do this until you're much closer to the allotted time.

Speaking at conferences can be nerve-wracking, but by following these tips, your presentations can be a joy to audience members and conference organizers alike.
