Treemap charts represent hierarchical data structured in a series of nested rectangles [6] . As each branch of the ‘tree’ is given a rectangle, smaller tiles can be seen representing sub-branches, meaning elements on a lower hierarchical level than the parent rectangle. Each one of those rectangular nodes is built by representing an area proportional to the specified data dimension.

Treemaps are useful for visualizing large datasets in compact space. It is easy to identify patterns, such as which categories are dominant. After opening the PowerPoint presentation, they chose “SmartArt” to form the chart. The SmartArt Graphic window has a “Hierarchy” category on the left.  Here, you will see multiple options. You can choose any layout that resembles a Treemap. The “Table Hierarchy” or “Organization Chart” options can be adapted. The team selects the Table Hierarchy as it looks close to a Treemap.

After that, a new window will open with a basic structure. They add the data one by one by clicking on the text boxes. They start with the top-level rectangle, representing the total budget.

You’re sitting in front of your computer and ready to put together a presentation involving data.   The numbers stare at you from your screen, jumbled and raw.   How do you start?   Numbers on their own can be difficult to digest. Without any context, they’re just that—numbers.   But organize them well and they tell a story.   In this blog post, we’ll go into the importance of structuring data in a presentation and provide tips on how to do it well. These tips are practical and applicable for all sorts of presentations—from marketing plans and medical breakthroughs to project proposals and portfolios. 

What is data presentation?

In many ways, data presentation is like storytelling—only you do them with a series of graphs and charts.  One of the most common mistakes presenters make is being so submerged in the data that they fail to view it from an outsider’s point of view.   Always keep this in mind: What makes sense to you may not make sense to your audience. To portray figures and statistics in a way that’s comprehensible to your viewers, step back, put yourself in their shoes, and consider the following: 

  • How much do they know about the topic?
  • How much information will they need?
  • What data will impress them?

Providing a context helps your audience visualize and understand the numbers. To help you achieve that, here are three tips on how to represent data effectively.  

Whether you’re using Google Slides or PowerPoint, both come equipped with a range of design tools that help you help your viewers make sense of your qualitative data.  The key here is to know how to use them and how to use them well. In these tips, we’ll cover the basics of data presentation that are often overlooked but also go beyond basics for more professional advice. 

The downside of having too many tools at your disposal is that it makes selecting an uphill task.   Pie and bar charts are by far the most commonly used methods as they are versatile and easy to understand.

If you’re looking to kick things up a notch, think outside the box. When the numbers allow for it, opt for something different. For example, donut charts can sometimes be used to execute the same effect as pie charts.

But these conventional graphs and charts aren’t applicable to all types of data. For example, if you’re comparing numerous variables and factors, a bar chart would do no good. A table, on the other hand, offers a much cleaner look.

Pro tip : If you want to go beyond basics, create your own shapes and use their sizes to reflect proportion, as seen in this next image.

Their sizes don’t have to be an exact reflection of their proportions. What’s important here is that they’re discernible and are of the same shape so that your viewers can grasp its concept at first glance.  Note that this should only be used for comparisons with large enough contrasts. For instance, it’d be difficult to use this to compare two market sizes of 25 percent and 26 percent. 

When it comes to making qualitative data digestible, simplicity does the trick.  Limit the number of elements on the slide as much as possible and provide only the bare essentials.

See how simple this slide is? In one glance, your eye immediately goes to the percentages of the donut because there are no text boxes, illustrations, graphics, etc. to distract you.  Sometimes, more context is needed for your numbers to make sense. In the spirit of keeping your slides neat, you may be tempted to spread the data across two slides. But that makes it complicated, so putting it all on one slide is your only option.  In such cases, our mantra of “keep it simple” still applies. The trick lies in neat positioning and clever formatting.

In the above slides, we’ve used boxes to highlight supporting figures while giving enough attention to the main chart. This separates them visually and helps the audience focus better.  With the slide already pretty full, it’s crucial to use a plain background or risk overwhelming your viewers.  

Last but certainly not least, our final tip involves the use of text.  Just because you’re telling a story with numbers doesn’t mean text cannot be used. In fact, the contrary proves true: Text plays a vital role in data presentation and should be used strategically.  To highlight a particular statistic, do not hesitate to go all out and have that be the focal point of your slide for emphasis. Keep text to a minimum and as a supporting element.

Make sure your numbers are formatted clearly. Large figures should have thousands separated with commas. For example, 4,498,300,000 makes for a much easier read than “4498300000”. While a good presentation has data, data alone doesn’t guarantee a good presentation. It’s all about how that data is presented. The quickest way to confuse your audience is by sharing too many details at once. The only data points you should share are those that significantly support your point — and ideally, one point per chart. To avoid the debacle of sheepishly translating hard-to-see numbers and labels, rehearse your presentation with colleagues sitting as far away as the actual audience would. While you’ve been working with the same chart for weeks or months, your audience will be exposed to it for mere seconds. Give them the best chance of comprehending your data by using simple, clear, and complete language to identify X and Y axes, pie pieces, bars, and other diagrammatic elements. Try to avoid abbreviations that aren’t obvious, and don’t assume labeled components on one slide will be remembered on subsequent slides. Every valuable chart or pie graph has an “Aha!” zone — a number or range of data that reveals something crucial to your point. Make sure you visually highlight the “Aha!” zone, reinforcing the moment by explaining it to your audience.

If you are using a newer version of PowerPoint, you can link data from a saved Excel worksheet to your PowerPoint presentation. That way, if data in the worksheet changes, you can easily update it in your PowerPoint presentation.

Link an entire Excel worksheet to PowerPoint

In PowerPoint, on the Insert tab, click or tap Object .

Before you close the Insert Object box, select Link , and click OK .

Drag over the area of data you want to link to in PowerPoint, and on the Home tab, click or tap Copy .

In this case, the Excel data will not be linked to your PowerPointpresentation. You copy the data from an Excel worksheet and paste it into your presentation. The worksheet does not send automatic updates to PowerPoint.

6 ways AI and big data are transforming the auto industry

T he automotive industry is shifting gears, accelerating into the future as new technologies push the boundaries of efficiency, sustainability, and safety.

The next phase is already here—the integration of artificial intelligence (AI) and big data within every facet of the industry. From the factory floor to the driving experience itself, AI and big data are fuelling safer, more efficient, and more intelligent vehicles, as well as better manufacturing and maintenance processes.

Here are six exciting ways AI and big data are reshaping the automotive landscape.

  • Predict the future

Every car owner understands the value of regular oil changes and brake inspections, in the hopes of staving off more costly maintenance down the road. Now, big data and AI are turbocharging proactive vehicle health.

Enter: predictive maintenance.

Predictive maintenance gives dealerships the ability to monitor vehicle performance data remotely and continuously. Integrated in-car sensors collect data on the health of any given car, and leverage AI and big data analytics to assess issues in real time, keeping dealerships and drivers updated on what’s going on under the hood. Dealers can be automatically alerted to potential or ongoing issues in any given vehicle and can reach out and offer maintenance proactively—before a car deteriorates or even breaks down.

A related practice is preventative maintenance, wherein computer vision systems powered by AI are used to detect issues that would go unnoticed by the human eye, preventing them from getting worse and damaging the vehicle further.

Fleet management will particularly benefit from such maintenance technologies. By proactively identifying issues like failing components, worn-out tires, or fluid leaks, companies can know what issues to look for across the entire fleet and schedule repairs in advance, saving considerable amounts of money and frustration along the way. Commercial fleets from taxis to delivery trucks to busses can minimize downtime and disruptions, ensuring that packages (and people) are delivered on time.

  • Eco-friendly roads

Emissions alone are not the only environmental impact of cars. It can take up to 151 cubic meters of water to manufacture a single vehicle and 11 million cars annually are taken out of circulation in Europe alone, representing as many metric tons of waste.

Big data analytics allow automakers to optimize vehicle design and manufacturing with a focus on sustainability. Data analytics on the most efficient and environmentally friendly materials and assembly processes will allow manufacturers to ensure that every vehicle has been made with the smallest environmental footprint possible. Manufacturers can also anticipate demand fluctuations more accurately, reducing waste by minimizing excess inventory.

By streamlining logistics and maximizing efficiency in manufacturing, automakers can also ensure they’re getting the right parts from the right places. Eliminating surplus and reducing the number of scrapped parts will not only save time and money but will create a more sustainable automotive manufacturing process.

Beyond the assembly line, AI enables driving simulations for any given model or design, allowing manufacturers to engineer vehicles for improved fuel efficiency and reduced emissions.

AI can also track and analyze data throughout a vehicle’s lifecycle and facilitate sustainable management even after a car has run its course. AI algorithms designed to understand vehicle health, from production to end-of-life, can identify opportunities for component reuse and recycling, optimizing resources, maximizing the recovery of valuable materials, and reducing environmental impact. These insights can also be integrated into future models, enabling manufacturers to create vehicles designed for easier disassembly and recyclability.

  • Safety in autonomous driving

The development of autonomous vehicles (AVs) is fuelled by AI and big data. These powerful tools enable AVs to view and navigate their surroundings unmanned, through sensor fusion and machine learning algorithms trained to make real-time decisions for navigating complex road environments safely.

Autonomous vehicles create as much as 1 terabyte of data hourly. Accordingly, improvements to data gathering, storage, and analysis will make autonomous driving safer. As a technology that can make real-time decisions, AI will play a critical role in teaching cars to learn the rules of the road and improve performance continuously.

In addition, as AVs continue to track more miles, the AI systems powering them are receiving more and more data on roadway environments, creating more granular maps and protocols. The more precise and accurate the maps, the better equipped AVs are for navigating those environments smoothly and safely.

  • Better roads , smarter cities 

AI and big data will also improve driving on a collective level, beyond the performance of any individual car.

Autonomous vehicle technology companies, as well as smart city application providers and municipalities, can now analyze traffic patterns, commuter behaviors, and road conditions in real-time. AI-powered systems can use this data to suggest alternative routes, adjust traffic signals, optimize traffic flow, and reduce congestion, improving both the efficiency of transportation networks and enhancing air quality in urban areas.

The copious amounts of data gathered from smart city sensors allow urban planners to keenly understand which road designs work best, streamlining traffic and bolstering safety for drivers and pedestrians.

With this treasure trove of personalized information, car companies can offer drivers certain additions or packages that reflect the way they drive. For example, drivers with growing families could opt for “child friendly” in-car entertainment while regular long-haul road trippers would get eco-driving options to maximize efficiency on the road and save on gas. And by collecting data on drivers’ actions on the road, carmakers can also reward safe driving with perks, exclusive features, or rewards.

Throughout the ownership lifecycle, drivers can opt for features and additions such as in-car gaming or passenger entertainment, integrated navigation systems, voice controls, and more. By accommodating driver preferences with a slew of updatable software and features, auto manufacturers can provide every driver with a vehicle best suited to their needs.

  • Revolutionizing insurance

Car insurance may be a day-to-day burden to your pocket, but it’s certainly a friend in time of need—even more so now as AI and big data transform the way auto insurers offer tailored policies and process claims.

By tapping into vehicles’ telematics data—real-time information on driver decisions and actions gathered within a given vehicle—insurers can gain insights into individual driving behavior and time spent on the road and tailor insurance premiums accordingly. While other software options exist which allow you to create PDFs online, they don't provide such extensive PDF tools and usually involve many steps.

So, let's dive in and create our very own PDF business contract template from scratch using WPS Office.

Let's switch over to WPS Office on your desktop to follow this step-by-step tutorial. If you haven't downloaded WPS Office yet, download it now from their website .

Step 1: On the WPS Office dashboard, visit the "PDF" tab in the left pane and then click on "Blank" to create a new blank PDF.

Now we have a new blank PDF ready to be created, so let's begin using the different PDF tools available in WPS PDF to create our business contract template.
