In academic work of any kind, effective referencing of your sources will ensure that you:

  • show that you are writing from a position of understanding of your topic.
  • demonstrate that you have read widely and deeply.
  • enable the reader to locate the source of each quote, idea or work/evidence (that was not your own).
  • avoid plagiarism and uphold academic honesty.

In order to cite sources correctly in your assignments, you need to understand the essentials of how to reference and follow guidelines for the referencing style you are required to use.

Citing is identifying the sources you have used in the text of your assignment.  This may be done as;

a direct quotation

paraphrasing

summarising

In-text citations give brief details about the source that you refer to.

This is an example citation (Harvard referencing style):

The citations will allow the person reading your assignment to locate the full details of the source you have used in the reference list located at the end of your work.

How to use quotes in your assignment.

When you use quotations they should be relevant.  Try not to use too many as they can break the flow of your text.  You will need to balance quotations with your own understanding of the sources used.

Don't forget - quotes are included in your word count!

A few tips:

Enclose any quotes in " quotation marks " - be consistent. Check out the further examples to see whether your chosen referencing style uses single or double quotation marks.

If using long quotes that are more than a few sentences, add these as a separate paragraph. This should be indented and there is no need to use quotation marks. ( Please note : The Department of Geography and Earth Sciences stipulate that long, indented quotations require quotation mark at the beginning and the end of the quotation).

Depending on the referencing style you are using, give the author, date and page number that the quote is from.

The full details of the source of the quote are then added into the reference list at the end of your assignment.

Paraphrasing involves expressing another author’s ideas or arguments in your own words, without direct quotation but with due acknowledgement.  It entails reformulating key points or information accurately, so that nothing important is lost but the means of communication is new. For instance:

Quotation     ‘It is impossible to step twice into the same river’ (Heraclitus) Paraphrase     Heraclitus argues that, just as a river is always in motion, the world is always changing so that nothing stays the same.

Paraphrasing can help with the flow or continuity of your written work and is a good way of demonstrating your understanding.

Read your source a few times to ensure you understand the meaning

Restate the key point(s) from the source in your own words, but without distorting the original meaning

Ensure you cite and reference the source.

Please note: When paraphrasing, you should NOT copy a passage from your source and then seek to change some of its wording. Use your own words and phrases from beginning to end when paraphrasing.

Citations are required in all types of academic texts. They are needed for several reasons:

  • To avoid plagiarism by indicating when you’re taking information from another source
  • To give proper credit to the author of that source
  • To allow the reader to consult your sources for themselves

A citation is needed whenever you integrate a source into your writing. This usually means quoting or paraphrasing:

  • To quote a source , copy a short piece of text word for word and put it inside quotation marks .

Usually, your institution (or the journal you’re submitting to) will require you to follow a specific citation style, so check your guidelines or ask your instructor.

In some cases, you may have to choose a citation style for yourself. Make sure to pick one style and use it consistently:

  • APA Style is widely used in the social sciences and beyond.
  • MLA style is common in the humanities.

In most styles, your citations consist of:

  • Brief in-text citations at the relevant points in the text

In-text citations most commonly take the form of parenthetical citations featuring the last name of the source’s author and its year of publication (aka author-date citations).

An alternative to this type of in-text citation is the system used in numerical citation styles , where a number is inserted into the text, corresponding to an entry in a numbered reference list.

There are also note citation styles , where you place your citations in either footnotes or endnotes . Since they’re not embedded in the text itself, these citations can provide more detail and sometimes aren’t accompanied by a full reference list or bibliography.

A reference list (aka “Bibliography” or “Works Cited,” depending on the style) is where you provide full information on each of the sources you’ve cited in the text. It appears at the end of your paper, usually with a hanging indent applied to each entry.

The information included in reference entries is broadly similar, whatever citation style you’re using. For each source, you’ll typically include the:

  • Author name
  • Publication date
  • Container (e.g., the book an essay was published in, the journal an article appeared in)
  • Location (e.g., a URL or DOI , or sometimes a physical location)

The exact information included varies depending on the source type and the citation style. The order in which the information appears, and how you format it (e.g., capitalization, use of italics) also varies.

Most commonly, the entries in your reference list are alphabetized by author name. This allows the reader to easily find the relevant entry based on the author name in your in-text citation.

So we already mentioned that it's important to cite correctly...because as we go through our classes, we learn all sorts of facts and theories and knowledge we just wouldn't learn any other way (than from others).  And we mentioned the general reasons why it was important to do it correctly, for ethical and legal reasons.

Now the next question is... when you cite, do you do it just because you figure you have to have something cited in there, that's sort of related to your topic? Or do you pick sources that really.. .

  • ...support your argument (in an argument or controversial topic paper?
  • ...show that you have some proven facts to support something that you mentioned as having happened?
  • ...back up specific things that you mentioned about your topic? (And yes, of course a good photo, chart or illustration can support your statements, too.)

An example would be if you were to claim that Shakespeare was the greatest playwright in history, as part of a literature class term paper. You wouldn't be the only person to ever have made that claim, so you can be pretty confident that you can find a reasonable number of Shakespeare scholars who have written material that would help you back up your statement. You'd probably break the claim down into several examples of why he's been called the greatest playwright, and then have one or more sources, cited, to back up each part of your argument. That is a better way to go about it - looking through relevant articles, book chapters, other sources, finding the facts and interpretation of those facts, then citing them, such that anyone reading it will (hopefully) nod and say, "Yeah, that's a good, solid point...makes sense."

And if you're working an an assignment where the 'authority' you draw knowledge from is not necessarily that of your typical scholar / researcher...the above still applies.  An example might be you interviewing an Indigenous Elder from a local tribe, as part of an assignment about Indigenous ideas about sustainability. You can absolutely cite 'personal communications' if the information you gained was during verbal conversation, though this is a case where you will not need a matching reference, since the information cannot be retrieved by a reader. (Obviously, you would have more than just 'personal communication' types of sources in your finished assignment.)

That's where we'll leave this particular topic for now. Whether what you've found is a good enough source that backs up or proves a point you made in an assignment  will ultimately be between you and your instructor - unless your professor also likes to have you peer-review each other's assignments.

Once you have found all the information you need to use for your assignment, you will need to quote from these sources and acknowledge using them.

It is very important to acknowledge the owners of the book/article that you may have used in your assignment, whether you have quoted from them directly or just referred to their research/ideas. If you fail to do so, you will not protect yourself from possible accusations of plagiarism (taking other author’s ideas and presenting them as your own).

What is ....? A Citation/in-text citation : these appear in the main body of your assignment and so, are often called –in-text citations’. They ‘refer’ to the list of references or bibliography at the end of your paper.

A Reference : an entry in your list of references or bibliography at the end of your paper.

A Reference List : the list of items you referred to in your assignment. This name can be used interchangeably with the word bibiography.

A Bibliography : the list of items you referred to in your assignment and also the items you used for your research but didn’t cite. These two names are often used interchangeably.

A Citation style : There are many citation styles, e.g. Chicago, APA, Harvard. Check with your lecturer/school as to which one you need to use. It usually depends on your subject area.

Reference Software : There are many different referencing software packages you can buy and use, e.g. EndNote, RefWorks, Mendeley, Zotero.

EndNote Basic is a free online citation manager which you can use. You use it together with the plug-in ‘Cite While YoU Write’ to enable you to insert citations in-text. You need to set up an account with EndNote. You ‘library’/file of references is located online with Endnote so you need to have internet access to use the software.
