Insert PDF file content into a PowerPoint presentation

Content from a PDF file might be what you need for your presentation, but it’s not as easy to get content out of a PDF file as it is from many other document types. There are two options, which depend on how you want to use the PDF content:

To show content from a PDF on a slide     Take a picture of the part of a PDF that you want, and paste it on your slide.

To keep a PDF file as a support document for your presentation     Insert the entire PDF into the presentation as an object that you can open and view during your presentation.

Note:  Inserting PDF content is not possible when editing a presentation in PowerPoint for the web. You need a newer version of PowerPoint to follow these steps.

Insert PDF file content as a picture

Open the PDF that you want to insert a picture of, and then switch to PowerPoint.

Do not minimize your PDF window, and make sure it's the last window you have open before moving to the next step.

Make sure everything that you want to capture as a picture is visible in your PDF window. You may need to decrease the zoom level in your PDF to see everything you want to capture.

In PowerPoint, select the slide that you want to add the content to, and then, go to  Insert  >  Screenshot .

Note:  Depending on your window size, the Screenshot button may appear different.

Your PDF file should be the first thumbnail image in the Available Windows list.

Below the thumbnail images, select Screen Clipping . PowerPoint minimizes and shows the window with the PDF file.

When you stop dragging, the selected area appears on the PowerPoint slide as a picture. You can move it, resize it, crop it, and format it as you like by selecting it and using the Picture Tools Format tab.

Insert a PDF file as an object

Make sure the PDF file that you want to insert is not currently open on your computer.

In PowerPoint, select the slide that you want to add the file to, and then select Insert > Object .

In the Insert Object box, select Create from file , and then enter the PDF file location; or select  Browse , find the PDF file, and then select OK .

This makes the PDF file part of the presentation file. The quality of the PDF file is reduced with this method, but you can open the full PDF file by double-clicking the image when viewing or editing in Normal view.

Note:  If you receive an error when trying to insert your PDF file as an object, make sure you do not have the PDF file open.

Open the PDF from a Slide Show

To open the inserted PDF file during a Slide Show, attach an action to it.

In Normal view, on the slide with the PDF file, select the PDF file’s icon or image, and then on the Insert > Links > Action .

In the Action Settings box, select the Mouse Click tab if you want to open the PDF with a click, or the Mouse Over tab if you want it to open when you move the pointer over the PDF file icon.

Select Object action , and select Open in the list.

How to Export Your PowerPoint Presentation as a PDF File

After you’re done creating a presentation, you might want to open it in other computers, but perhaps your presentation is not compatible with the software included in them. For this reason, having a PDF version is useful. In this tutorial, you’ll learn how to export your presentation as a PDF file in a few steps. 

Exporting without Speaker Notes, One Slide per Page

Exporting with speaker notes or with multiple slides per page.

• Click File → Save As. Select the PDF option from the drop-down menu. Then enter a name for the file and click Save.

If you have Adobe Acrobat PDF, there are two more options available for you:

• Click File → Save as Adobe PDF.
• On the Home tab, click Create and Share Adobe PDF.
• Click File → Save As. Choose the PDF option from the drop-down menu.
• Now you can optimize the size of the document for online publication, and add data such as tags, the author or a short title. Depending on your PowerPoint version, you may need to click More Options… to access these settings.
• To choose what will appear in the PDF document, click Options…

• Now you can choose the slides range, the publish options, the non-printing information and other settings. To change the number of slides per page or the orientation, choose Notes pages from the Publish what drop-down menu.

If you’re using a Mac and you can’t find these options, follow these steps:

• Click File → Print… or press Cmd + P.
• Now you can choose the slides range, the format and the orientation, the number of pages, whether you want to print it in color or in black & white, and whether to include a frame, headers, footers and speaker notes. If you decide to include speaker notes, you’ll only be able to choose one slide per page.
• To save, click the PDF button in the lower-right corner and select Save as PDF.

Save PowerPoint presentations as PDF Files

You can save the entire presentation, custom show , or just some slides to the PDF file. Animations, transitions, and sounds are not preserved in a PDF file.

PowerPoint offers different ways to save a workbook in PDF format:

• Save the presentation using Save As pane or Save As dialog box
• Export the presentation to PDF
• Save the selected slides using Save As pane or Save As dialog

Choose the one you prefer:

Save the entire presentation as a PDF file using the Save As pane

On the File tab, click Save As (or Save a Copy , if you opened a document from any non-local storage), then from the File type dropdown list, select PDF :

If needed, click the More options... link to open the Save As dialog box with additional options that control the PDF output details (see below):

On the File tab, click Save As , then click Browse to open the Save As dialog box. In the Save As dialog box:

• Navigate to the folder where you want to save the PDF file,

• If you want to create a smaller PDF file (the file size is much smaller, but graphics quality is a bit lower), click Minimum size (publishing online) ,

In the Options dialog box:

• In the Range section, specify the slides or a custom show to include in the PDF file
• From the Publish what list, specify what exactly should be saved in the PDF file Slides , Handouts , Notes pages , or Outline view
• Select how many Slides per page should be saved
• Choose the specific data to include, such as hidden slides, comments, etc.
• In the Include non-printing information section, enable, or disable non-printing elements such as file properties
• Select compliance
• If you do not want to automatically open the new PDF file in your default PDF viewer , clear the Open file after publishing checkbox:

Export the presentation to a PDF file

On the File tab, click Export , then click the Create PDF/XPS button:

In the Publish as PDF or XPS dialog box, specify a filename and location and set some other options (see above, the same as in the Save As dialog box):

Note : XPS is another "electronic paper" format developed by Microsoft as an alternative to PDF . However, there is currently little third-party support for the XPS format.

Save specific slides in PDF format

   1.   In the Normal or Slide Sorter view, select the slides you want to save in the PDF file.

   2.   Do one of the following:

• On the File tab, click Save As , then click Browse to open the Save As dialog box.
• On the File tab, click Export , and then click the Create PDF/XPS Document button to open the Publish as PDF or XPS dialog box.

   3.   In the Save As dialog box or the Publish as PDF or XPS dialog box, click the Option... button.

   4.   In the Options dialog box:

• Set any other option you need, then click the OK button.

   5.   In the Save As dialog box or the Publish as PDF or XPS dialog box, click the Save or Publish button appropriately.

What to Know

• Insert a PDF as an object: Open the slide and select Insert > Object > Create from File > Browse . Choose the PDF and click OK .
• Insert the PDF as an image: Open the PDF and the PowerPoint slide. In PowerPoint, select Insert > Screenshot and select the PDF.
• Insert text or an image from a PDF: Copy the text or image in the PDF and paste it into your PowerPoint slideshow.

This article explains how to add a PDF to your PowerPoint slideshow to create a richer presentation experience. Options include inserting the entire PDF as an object that can be viewed during a slideshow, inserting a picture of a page, adding text from the PDF file, and copying a picture used in the PDF. Instructions apply to PowerPoint 2019, 2016, 2013; PowerPoint for Microsoft 365; and PowerPoint for Mac.

Insert a PDF as an Object on a PowerPoint Slide

When you want to view the entire PDF file during your PowerPoint presentation, insert the PDF as an object. During your presentation, select the PDF object on the slide and the PDF file opens in a PDF viewer.

Open the PowerPoint slide where you want to insert the PDF.

Make sure the PDF file is not open on your computer.

Select Insert > Object to open the Insert Object dialog box.

Select Create from File , then select Browse .

Open the folder that contains the PDF file you want, choose the PDF file, then select OK .

Select OK in the Insert Object dialog box.

An icon for the PDF displays on the slide and the PDF file becomes part of the presentation file. To open the PDF file, double-click the image while in Normal view.

Open the PDF During a Slideshow

To open the PDF file during a presentation, attach an action to the image.

Make sure PowerPoint is in Normal view. Display the slide with the PDF object.

Select the image or icon for the PDF file.

Select Insert > Action .

Select the  Mouse Click  tab if you want to open the PDF with a click. Select the  Mouse Over  tab if you want it to open when you point to the PDF.

Select  Object Action , then select  Open from the drop-down list. In PowerPoint 2019, select Activate Contents .

Select OK .

Insert a PDF into PowerPoint as a Picture

If you only want to view the content of one page of a PDF file, add it to a PowerPoint slide as an image.

Open the PDF file and display the page you want to insert into PowerPoint.

Open PowerPoint and go to the slide where you want to insert the PDF as a picture.

Select Insert > Screenshot . All of your available windows are presented, including the open PDF file.

Select the PDF file to add it to the slide as an image.

Insert Text from a PDF to PowerPoint

Another way to add a specific section of a PDF to PowerPoint is using Adobe Acrobat Reader.

To insert text from a PDF file:

Open the PDF file in Adobe Reader.

Select Tools > Basic > Select .

Select the text you want to copy.

Select Edit  > Copy .

Open PowerPoint and display the slide where you want to insert the PDF text.

Select Home >  Paste . Or press Ctrl + V .

Insert Graphics from a PDF to PowerPoint

To insert a graphic from a PDF file:

Right-click on the PDF and choose Select Tool .

Select the image and press Ctrl + C , or right-click and select Copy Image .

Open PowerPoint and display the slide where you want to insert the PDF graphic.

Import PDF into PowerPoint for Mac

When you insert a PDF into PowerPoint for Mac as an object, you may receive an error message stating that the file type is not supported or the file is not available. This is because object linking and embedding is not fully implemented in Mac Office applications.

You can insert text and graphics from a PDF in PowerPoint for Mac using the same steps provided above. 

Another option is to select Insert >  Hyperlink > Web Page or File , to link to a PDF. You can open the hyperlink during the presentation to display the PDF file.

Import PDF into PowerPoint Online

PDF files cannot be inserted or edited in PowerPoint Online. However, PDFs display as expected when created in another version of PowerPoint.

Inserting a screenshot image of a pdf document, inserting a pdf document as an object.

A PDF document is filled with all kinds of content, including text or images, that you might want to import elsewhere. If you're creating a Microsoft PowerPoint presentation, you can insert a PDF document by following these steps.

Before we begin, you should be aware of the two ways you can do this. First, you can take a screenshot of your PDF document and insert that screenshot as a picture. Alternatively, you could insert the PDF as an object, linking to the document so that you can open it during a presentation.

The first option, taking a screenshot , can be done manually, but there's an option within Microsoft PowerPoint itself to create a screenshot.

To use this, you'll need to have both your PDF document and Microsoft PowerPoint presentation open. Start within PowerPoint and then click the "Insert" tab in your ribbon.

Make sure to scroll to the point in your PDF document that you want to screenshot before switching to PowerPoint.

From the "Insert" tab, click the "Screenshot" button in the "Images" section.

This will bring up thumbnails showing each currently open window.

Click on the thumbnail that shows your open PDF document to select it.

This process will then insert a screenshot of your open PDF document window into the PowerPoint presentation. From here, you can crop your screenshot , resize it, and position it.

Alternatively, you can click the "Screen Clipping" button in the "Screenshot" options menu. Like the snipping tool in Windows 10, this will let you take a partial screenshot of your PDF document. This might be useful if you want to copy a particular picture or block of text, for instance.

Use your mouse to select the area around your partial screenshot. PowerPoint will automatically paste this into your presentation once you've selected the area.

If you insert a PDF document as a screenshot, you see the contents of a single page only. You can insert a PDF document as an object instead, acting as a link to the document that will enable you to refer to the PDF document at a separate point during a PowerPoint presentation.

To do that, click the "Insert" tab in the ribbon and then select the "Object" button in the "Text" section.

In the "Insert Object" selection menu, select "Create from File" and then click "Browse" to select your saved PDF document.

Make sure your PDF document is closed before you select it, or an error will be generated.

Next, locate and select your saved PDF document using the Explorer window before clicking "OK" twice to insert it into your presentation.

The PDF document will appear as an object. You can then resize it and place it in a suitable position.

Double-clicking on the PDF object will launch it inside your chosen PDF reader. This will work in the editing mode and during the presentation itself, when you can refer to your PDF file before returning to the main presentation.

Aspose.pdf API fails to convert and save pdf to PPT

Hi, Would you kindly advise why the below test is failing on Linux machines? It has been verified to be working fine on Windows and MacOs.

We are using aspose.pdf 24.8 version Linux OS: Linux 1a82161ddb7d 6.4.16-linuxkit #1 SMP PREEMPT Tue Oct 10 20:38:06 UTC 2023 x86_64 x86_64 x86_64 GNU/Linux

You can find the file which is failing in the attachments. P.S. failing_pdf_file.pdf has been generated by aspose.words exposed API and saved as PDF.

@ANDREA.FARRIS On Linux the problem may be caused by graphic processing In this case we usually recommend using Aspose Pdf Drawing version as it’s more Linux oriented Could you check if problem is reproduced with Aspose Pdf Drawing 24.8?

Hi @ilyazhuykov , for this particular case, pdf does not have any graphics inside. If you check it, it has only single line of text. As mentioned in the description of the issue, it was generated using aspose.words API. Please clarify if we should try using aspose-drawing api for saving pdf to ppt or in other part of the flow? If possible, code snippet as an example would be highly appreciated.

@ANDREA.FARRIS I checked conversion, it seems that Aspose Pdf Drawing 24.8 resolves the issue Basically you should try to use Aspose Pdf drawing instead of regular Aspose Pdf specifically on linux for PDF to PPTX conversion, you have no need to change your code As for why there’s issues with graphic component I can’t give any clear anwser but in my case the error I recieve is specific for gzip graphic component which usually signals that Drawing version should be used Here I attach the result I got after changing to Drawing version failing_pdf_file_out.zip (9.3 KB)

Could you please share the code or configuration for using Aspose Pdf Drawing to convert from PDF to PPTX?

I can’t find the aspose-pdf-drawing library for Java. There does exist a com.aspose.pdf.drawing package in the aspose-pdf library but it only contains lower-level classes: com.aspose.pdf.drawing | Aspose.PDF for Java API Reference

Summer in the Field: Evaluating the Liberation Health Model Amongst Greek Social Workers

There is a wealth of information on the mental health challenges across the globe. Whether global prevalence rates, specific population variations, differing access to mental health services, or the impacts of global or local events are being examined, there is great, documented need for mental health support. 

Depending upon the situation, a person’s life experiences, and their self-identified suffering or symptoms, it could make sense to employ a vast array of different clinical treatment modalities – for instance, cognitive behavioral therapies, psychodynamic practices or protocols specifically intended to address trauma responses. 

The  Liberation Health Model  is a clinical framework that acknowledges the sociopolitical factors that contribute to a person’s mental health challenges. The model posits that the problems of individuals and families can only be understood with a rooting in the political, economic and social conditions of the person’s context. For example, the model would encourage practitioners and service users to acknowledge and challenge how racism, classism, gender norms and expectations, and xenophobia contribute to their problems as well as the contributions of the healthcare system, education system and criminal legal system. 

This  specific theoretical clinical model  has been successfully applied in the United States for more than 20 years in various social service settings. While there are now practitioners across the world who have studied the Liberation Health Model and employ it in their work with clients, there has not yet been comprehensive training, implementation and evaluation abroad. 

This year marks a monumental step in evaluating this model outside of the US. In partnership with Dr. Dawn Belkin Martinez , Associate Dean for Equity & Inclusion and Clinical Professor at the Boston University School of Social Work, Dr. Dimitra-Dora Teloni , Assistant Professor in the Social Work Department at the University of West Attica, Greece, and Panteion University in Greece. As part of my  2024 Summer in the Field Fellowship , I supported training sessions, conducted focus groups and site visits and engaged in mixed methods analysis in order to help enable this clinical framework to be further used globally.

Greece was chosen due to the willingness of Greek academic partners as well as similar sentiments of limitations and challenges encountered in the social service setting. A group of 10 Greek social workers were recruited from a variety of social service settings, ranging from child welfare to substance use programs, to engage in a series of eight training sessions. These trainings included both didactic instruction on the Liberation Health Model theory and methodological steps as well as case presentations and discussions. In between sessions, the participating social workers read articles, used the model to conceptualize cases from their own practice, and kept track of their learnings and ongoing questions. 

While the mixed methods analysis is still underway, several important themes have already emerged. 

First, front-line social work practitioners demonstrated a level of desire to learn about and practice this model. Participation in the training has been strong and the social workers come with stories for each session of how they have been thinking about the model in their ongoing work. There is hunger for this theoretical approach, and no similar model exists in the Greek context. The Liberation Health interventions focus on 1) identifying dominant worldview messages, 2) deconstructing dominant worldview messages, 3) introducing new information, 4) rescuing the historical memory of change and 5) activism as a therapeutic intervention. The participating social workers reported that these intervention suggestions were welcome and extremely useful. The group reports having additional skills and resources to draw upon in their work.

Second, and related to the first point, this pilot has strongly underscored the value of this model to the social workers themselves. In addition to further equipping the social worker with skills and strategies so that they are more effective in the work with community members, the social workers have also therapeutically gained themselves. One of many moments that crystallizes this point was when a participant used the case presentation opportunity to present herself and her struggles as the client. This social worker’s presenting problem was “frequently feeling stressed and tired” about her work. She described her current work within child welfare, including the large number of children on her caseload, how understaffed the agency is, and the extreme pressure to, seemingly magically and immediately, make problems disappear. Her cell phone could ring at any hour of the night or day, which affects her sleep, relationships and ability to rejuvenate and do enjoyable things. 

The Liberation Health Model helps uncover the dominant worldview messages and systems that contribute to her stress: for instance, sexism and gender role messaging that women are expected to care-give and self-sacrifice at all hours of the night and day, or the classist message that the overcrowded and understaffed conditions in the child group home is acceptable for poor children. By calling attention to the sociopolitical factors that bring about stress and tiredness, the social worker feels less that she as an individual is the problem or defective. “Burnout” and “provider fatigue” are common terms associated with the routine accompaniment of someone in suffering; models that also help sustain practitioners are essential. 

Certainly, additional learnings and recommendations will emerge as the mixed methods research concludes. It is already apparent though that the Liberation Health Model’s first official implementation and evaluation abroad has produced a wealth of interest, information and effectiveness.
