File format and presentation

  • The final text of the deposited thesis must be in PDF format.
  • Please use the Grad Office Ph.D. thesis regulations for format and presentation as your primary guideline in formatting your thesis.
  • Include a separate page with a bibliography of all published, or accepted-for-publication, material included in the thesis. Include the URLs as part of the citations whenever available.
  • If one of your files requires specific software to run it that is not regularly or easily obtainable, consider uploading a copy of that software as a zipped file. The same applies to programs you may have written for material in your thesis.
  • We highly recommend adding your datasets to CaltechDATA and linking them back to your thesis record.
  • The default page margins in the templates are set for single-sided pages: 1.5" on left margin, and 1" on other 3 margins
  • If you do NOT plan to print your thesis, you may change the margins to 1" on all margins.
  • If you do plan to print your thesis on double-sided pages, consider changing your settings so the 1.5" margin aligns correctly for the inner margin on both left and right pages. This will allow enough space for the binding to not hide any text in the inner margins.
  • Embedded fonts, which should be either TrueType or Type 1 , are required for the PDF.
  • Font size should be 11- or 12-point .

Original source files

  • You must upload your original source files (i.e, your thesis in its pre-PDF format), in CaltechTHESIS to store them as archival sources in your CaltechTHESIS record. This will help us as we deal with format migration and obsolescence in the future, and will also preserve a copy for you should you ever need one.
  • TeX files should be zipped, and the zip file uploaded.

Abstract presentation in CaltechTHESIS

  • Library staff will compare the CaltechTHESIS Abstract to the thesis' Abstract, and correct the layout and special characters as necessary and possible.
  • If your abstract has multiple paragraphs, include HTML paragraph coding (<p>...</p>) in your abstract to ensure your paragraphs display properly.
  • If your abstract contains the mathematical symbols "<" or ">" AND you are using any kind of HTML coding as well, you will need to replace the ">" with "&gt;", and the "<" with "&lt;" to prevent display errors in the text block of the abstract.
  • Avoid the use of and ampersand (&).  Use the word "and" instead.
  • Check out Character Entity References in HTML 4 and XHTML 1.0 for alternatives for the display of special characters.

File size restrictions

  • We set no limit to the size of any of the files you submit for your thesis. We do require 1 file with the full thesis.  However, do additionally consider uploading separate chapter files to make it easier for readers to download.

Students are not required to have an Overleaf account to use the templates, but will have access to useful extra features if they do - for more information on using Overleaf, and to claim your free 10GB upgrade to Overleaf Pro through the Caltech institutional license, please visit the Caltech portal on Overleaf..

You can download the Overleaf files as zip files to your own computer if you prefer to use them that way. Open up a blank thesis template on the Overleaf site, then click on Project at the top of the screen. A green box labeled “Download as ZIP” will show up in the left column, and you can choose which types of files you want to download.

Your thesis file names should include your own name as well as your graduation date.  Please do not use "thesis.pd f" as the file name for your uploaded thesis.

Caltech has traditionally required thesis to be in textual form.  In the past few years, however, graduate students and the Graduate Office have considered alternative formats for theses, including in particular multi-media, multi-form and cross-platform.  After consultations, the current guidelines for students preparing theses are as follows:

  • If your thesis is textual (think "book"), you must submit the final version in PDF format.  
  • If you are a graduate student who is planning to prepare your thesis in an unconventional format, you must talk to the Dean of Graduate Studies and the Author Services Librarian about it.  If it is approved, your thesis' preliminary pages and first chapter in file must still be textual and in PDF format. 
  • We absolutely want your original source files.  Please upload them as zip files, identifying them as "source files" in the Description field. After uploading the file, click on the Show Options link, then add your descriptive statement in the Description field.  Choose "Archival Material" as the Content type.  These files will be permanently embargoed, and not released to public view.
  • Supplemental materials are accepted in many file formats.  If you are using a non-standard one, please contact us to make sure we can handle it.  You should consider the use of the CaltechDATA repository as  a safe home for these supplemental files, and include links in the thesis and supplemental files'  records going in both directions.

Many authors have trouble replicating the appearance of their thesis' abstract in the CaltechTHESIS record.  Below are some tips to get you started.  While your abstract may look funny in the user mode, it should display correctly in public mode.  Save your changes as you go along and check the abstract's view in the Preview mode.  If you have any questions, please don't hesitate to call!

Your thesis statement should match the goals of your essay, which vary depending on the type of essay you’re writing:

  • In an argumentative essay , your thesis statement should take a strong position. Your aim in the essay is to convince your reader of this thesis based on evidence and logical reasoning.
  • In an expository essay , you’ll aim to explain the facts of a topic or process. Your thesis statement doesn’t have to include a strong opinion in this case, but it should clearly state the central point you want to make, and mention the key elements you’ll explain.

A thesis statement is a sentence that sums up the central point of your paper or essay . Everything else you write should relate to this key idea.

The thesis statement is essential in any academic essay or research paper for two main reasons:

  • It gives your writing direction and focus.
  • It gives the reader a concise summary of your main point.

Without a clear thesis statement, an essay can end up rambling and unfocused, leaving your reader unsure of exactly what you want to say.

Follow these four steps to come up with a thesis statement :

  • Ask a question about your topic .
  • Write your initial answer.
  • Develop your answer by including reasons.
  • Refine your answer, adding more detail and nuance.

The thesis statement should be placed at the end of your essay introduction .

Introduction to Word for Dissertations

Formatting your dissertation (or thesis) will likely take more time than you expect. But using the special features described in this Guide will save you a great deal of work , particularly if you use our template (available in the box below). The earlier you begin to use these tools, the more time you'll save and the less stress you'll have as your submission deadline approaches. Students at the University of Michigan are also encouraged to contact the experts on the Library's ScholarSpace  team anytime you run into a problem or have a question.

To meet  Rackham’s Dissertation Formatting Guidelines  you will need to modify the standard settings that Microsoft Word uses. This guide will show you how to use the tools to make the necessary modifications.  While we do follow the requirements from Rackham’s formatting guidelines to demonstrate the tools, in the end, you are responsible for verifying that your document meets the requirements that Rackham sets.

To save yourself time and effort , please consider using our Dissertation Template (link available in the box below). Many of the settings discussed in this Guide are already included in that document.

  • ScholarSpace Template for Dissertations This Microsoft Word document comes with many of the Rackham formatting guidelines built in, and can be used for dissertations and theses. Please note that this template doesn't follow the formatting direction of any particular Style Guide. It is your responsibility to make sure you are following the Style Guide predominant in your field, and to make any relevant formatting changes to heading styles, numbering, captions, etc... How to make many of those changes is described throughout this Guide.

A word about LaTeX

LaTeX is a markup language (sometimes accessed through the Overleaf editor) that is often used in science and engineering documents because it allows for great control in creating complex equations and formulas. ScholarSpace does not maintain a template for dissertations created with LaTeX, and we can only provide very limited support for it. That said, there is a community of U-M folks who actively maintain  this LaTeX template to keep it in line with Rackham's guidelines .

Can I use Google Docs for my dissertation?

No. Google Docs can get you pretty far down the road to something that looks like what Rackham requires, however, it's going to take a lot more work to get that far, and as you approach the finish line you will collide with obstacles that Google Docs just won't be able to get around. The issue is that Google Docs was not designed for complicated documents like a thesis or dissertation. To get it to do many of the special things that Rackham requires, you'll have to do a great deal of work that Word will just do for you . A few examples:

  • Rackham requires 1" margin on all pages, but a 2" margin at the top of each new section and chapter. You'll have to manually adjust every relevant page yourself in Docs to get this, but Word will just do it automatically.
  • Docs gives you three choices for how your Table of Contents will look, none of which are suitable by Rackham's standards. While you can adjust the format, many aspects of it (such as spacing) will revert to the original every time you update it.  With Word, you're in charge of what your ToC looks like.
  • In Docs, you'll have to manually type in your figure numbers ("Figure 3.6") and change them every time you add or move them. But Word will manage numbering and caption placement for you, it will renumber figures or tables as you add or move them, and then it will create your List of Figures/Tables automatically – correct page numbers and all. 
  • With Word's figure/table numbering, you can also insert cross-references, so when you refer to "(see Figure 4.2)" but then you add some new figures before that, not only will Figure 4.2 renumber itself automatically, but anywhere you've referred to it will be updated, too. No more anxiety about whether you've updated everything accurately.
  • Page numbers: Rackham wants the first two pages to have no page numbers, the rest of the frontmatter to have small roman numerals, and the body of the document to have arabic numerals.  Docs just plain can't do that.

If you're concerned about the learning curve of using Word, please know that this Guide goes over how to do everything, AND the Word template found here has nearly everything already set up for you. We also regularly offer a workshop that serves as an introduction to the most useful features, and you can set up a meeting with a ScholarSpace expert anytime you run into something that you can't figure out. 

The better you know your way around Word, the easier it will be to work on your next research article, book chapter, or other complex document.

Writing Assistance

This Guide is all about how to properly format your dissertation -- how to make it look the way Rackham wants it to look. But what if you need help with the actual composition  of your content? Our friends at the Sweetland Writing Center offer such assistance, through their Writing Workshop program. From their website:

These are just a few quick but especially important tips to help you get started. See our more expansive Tips & Troubleshooting section for suggestions that are a little more complex.

  • Save early , save often, and create backup versions as you go along. Consider setting up Microsoft OneDrive (you have free access with your umich login credentials). With this, you can turn on "Autosave" in Word to automatically save your document at regular intervals, and have access to previous versions.

  • Use our template (available above), it will save you lots of time. Nearly all of the difficult formatting stuff we discuss in this Guide is already built into the template. Consider doing all of your writing in it -- even if you're working in separate files for each chapter, you can use a copy of the template for each one of those chapters.
  • Set the margins including the two-inch margin for chapter titles and main section headings  ( Setting Margins ) .
  • Define styles for Headings 1-3, Normal, Captions, and Quotes – these are most common; you may need others ( Working with Styles ).
  • If headings need to be numbered (for example, 1.1, 1.2, 2.1, etc.), define a multi-level list ( Automatic Numbering ).
  • If captions need to include the chapter number, define a multi-level list ( Automatic Numbering ).
  • Share your file(s) with your advisors using Track Changes ( Commenting and Reviewing ) .
  • If you use EndNote to manage your citations and create your bibliography, use only one EndNote library for your entire dissertation (see our EndNote Basics guide).
  • Did we mention that you really ought to try out our template (available above)?

Pathways to Graduation

Have questions about graduation? Not sure where to begin? The Office of Graduate Education has developed Pathways to Graduation , a self-guided Canvas course which helps to equip graduate students with the tools to succeed and experience a smooth, stress-free road to graduation.

Many policies related to this process are listed in Georgia Tech’s Policy Library. For international students, there are Office of International Education policies on enrollment and optional practical training that you’ll want to become familiar with.

Graduate Thesis Faculty Submission Form

Effective for the summer 2023 term, the policy on advisement of graduate students has been updated in the Catalog . Tenure-track faculty are members of the Graduate Thesis Faculty by default. All other Georgia Tech faculty must be approved by the program and submitted to the Office of Graduate Education. Departments must submit those names, once approved, via our submission form below.

Electronic Submission and Disseminating Your Work

Tech requires all theses and dissertations to be submitted electronically. Once it is approved by your committee, here’s what happens next:

  • Visit the Electronic Thesis and Dissertations (ETD) Submission System . Please follow the instructions, and upload your approved thesis or dissertation as a PDF.
  • Graduate Education will check your uploaded PDF and will notify you if there are any corrections. You must make the corrections, and resubmit the corrected file.
  • If Graduate Education has all the required pre-thesis and thesis-related (or dissertation) documents, we will approve your thesis/dissertation and notify the Office of the Registrar that you are eligible to graduate.
  • You and your committee members will receive an approval notice via Vireo/ETD. Approximately a month after you graduate, your thesis/dissertation will be released for electronic circulation.
  • You can request that your thesis/dissertation be withheld from release for one year for intellectual property reasons. The Graduate Thesis Office ( [email protected] ) must receive a written request from your advisor approving your request at the same time as you submit your other thesis documents. The Request for Withholding form is available via DocuSign.
