I work in consulting and it bothers me so much that besides the content I still have to waste hours in making the design of my slides appealing to the eyes. IS there any valuable AI tool that can generate ppt from slides draft? For instance i provide a black and white ppt draft and then it gets converted to a professional ppt. Or same with a word file. Slideshows are an intuitive way to share complex ideas with an audience, although they're dull and frustrating when poorly executed. Here are some tips to make your Microsoft PowerPoint presentations sing while avoiding common pitfalls.

define a goal

It all starts with identifying what we're trying to achieve with the presentation. Is it informative, a showcase of data in an easy-to-understand medium? Or is it more of a pitch, something meant to persuade and convince an audience and lead them to a particular outcome?

It's here where the majority of these presentations go wrong with the inability to identify the talking points that best support our goal. Always start with a goal in mind: to entertain, to inform, or to share data in a way that's easy to understand. Use facts, figures, and images to support your conclusion while keeping structure in mind (Where are we now and where are we going?).

I've found that it's helpful to start with the ending. Once I know how to end a presentation, I know how best to get to that point. I start by identifying the takeaway---that one nugget that I want to implant before thanking everyone for their time---and I work in reverse to figure out how best to get there.

Your mileage, of course, may vary. But it's always going to be a good idea to put in the time in the beginning stages so that you aren't reworking large portions of the presentation later. And that starts with a defined goal.

avoid walls of text

A slideshow isn't supposed to include everything. It's an introduction to a topic, one that we can elaborate on with speech. Anything unnecessary is a distraction. It makes the presentation less visually appealing and less interesting, and it makes you look bad as a presenter.

This goes for text as well as images. There's nothing worse, in fact, than a series of slides where the presenter just reads them as they appear. Your audience is capable of reading, and chances are they'll be done with the slide, and browsing Reddit, long before you finish. Avoid putting the literal text on the screen, and your audience will thank you.

use better fonts

Right off the bat, we're just going to come out and say that Papyrus and Comic Sans should be banned from all PowerPoint presentations, permanently. Beyond that, it's worth considering the typeface you're using and what it's saying about you, the presenter, and the presentation itself.

Consider choosing readability over aesthetics, and avoid fancy fonts that could prove to be more of a distraction than anything else. A good presentation needs two fonts: a serif and sans-serif. Use one for the headlines and one for body text, lists, and the like. Keep it simple. Veranda, Helvetica, Arial, and even Times New Roman are safe choices. Stick with the classics and it's hard to botch this one too badly.

use fewer bullets

There reaches a point where bullet points become less of a visual aid and more of a visual examination.

Bullet points should support the speaker, not overwhelm his audience. The best slides have little or no text at all, in fact. As a presenter, it's our job to talk through complex issues, but that doesn't mean that we need to highlight every talking point.

Instead, think about how you can break up large lists into three or four bullet points. Carefully consider whether you need to use more bullet points, or if you can combine multiple topics into a single point instead. And if you can't, remember that there's no one limiting the number of slides you can have in a presentation. It's always possible to break a list of 12 points down into three pages of four points each.

avoid transitions

Animation, when used correctly, is a good idea. It breaks up slow-moving parts of a presentation and adds action to elements that require it. But it should be used judiciously.

Adding a transition that wipes left to right between every slide or that animates each bullet point in a list, for example, starts to grow taxing on those forced to endure the presentation. Viewers get bored quickly, and animations that are meant to highlight specific elements quickly become taxing.

That's not to say that you can't use animations and transitions, just that you need to pick your spots. Aim for no more than a handful of these transitions for each presentation. And use them in spots where they'll add to the demonstration, not detract from it.

use visuals

Sometimes images tell a better story than text can. And as a presenter, your goal is to describe points in detail without making users do a lot of reading. In these cases, a well-designed visual, like a chart, might better convey the information you're trying to share.

The right image adds visual appeal and serves to break up longer, text-heavy sections of the presentation---but only if you're using the right images. A single high-quality image can make all the difference between a success and a dud when you're driving a specific point home.

When considering text, don't think solely in terms of bullet points and paragraphs. Tables, for example, are often unnecessary. Ask yourself whether you could present the same data in a bar or line chart instead.

find a color palette

Color is interesting. It evokes certain feelings and adds visual appeal to your presentation as a whole. Studies show that color also improves interest, comprehension, and retention. It should be a careful consideration, not an afterthought.

You don't have to be a graphic designer to use color well in a presentation. What I do is look for palettes I like, and then find ways to use them in the presentation. There are a number of tools for this, like Adobe Color , Coolors , and ColorHunt , just to name a few. After finding a palette you enjoy, consider how it works with the presentation you're about to give. Pastels, for example, evoke feelings of freedom and light, so they probably aren't the best choice when you're presenting quarterly earnings that missed the mark.

It's also worth mentioning that you don't need to use every color in the palette. Often, you can get by with just two or three, though you should really think through how they all work together and how readable they'll be when layered. A simple rule of thumb here is that contrast is your friend. Dark colors work well on light backgrounds, and light colors work best on dark backgrounds.

Spend some time in the Slide Sorter before you finish your presentation. By clicking the four squares at the bottom left of the presentation, you can take a look at multiple slides at once and consider how each works together. Alternatively, you can click "View" on the ribbon and select "Slide Sorter."

Are you presenting too much text at once? Move an image in. Could a series of slides benefit from a chart or summary before you move on to another point?

It's here that we have the opportunity to view the presentation from beyond the single-slide viewpoint and think in terms of how each slide fits, or if it fits at all. From this view, you can rearrange slides, add additional ones, or delete them entirely if you find that they don't advance the presentation.

The difference between a good presentation and a bad one is really all about preparation and execution. Those that respect the process and plan carefully---not only the presentation as a whole, but each slide within it---are the ones who will succeed.

This brings me to my last (half) point: When in doubt, just buy a template and use it. You can find these all over the web, though Creative Market and GraphicRiver are probably the two most popular marketplaces for this kind of thing. Not all of us are blessed with the skills needed to design and deliver an effective presentation. And while a pre-made PowerPoint template isn't going to make you a better presenter, it will ease the anxiety of creating a visually appealing slide deck.

We had suffered through endless forgettable PowerPoint slides and were all hoping for a merciful end. That’s when the presenter announced, “I see I’m running out of time, so I’ll just hurry through my last 30 slides.”

We’ve all suffered through slide shows with long lists of unreadable bullets, unnecessary YouTube clips, and overuse of graphics. Instead of holding our attention and making their point even stronger, each slide distracts the audience with more content they don’t need. Bad slides are agnostic. You can use PowerPoint, Keynote, Prezi, Google Slides, or hold up a piece of paper – it’s all a distraction if you don’t do it well.

Done well, a thoughtfully prepared slide deck can be the perfect slide dish for your full meal presentation. Done poorly and your audience will feel like they made one too many trips to the buffet table. This post will help you do it well.

For the first years of my speaking career, I presented with 35mm slides. You know, the photographs framed by cardboard that got jammed in the projector? That was me – hauling out the projector, clicking in the carousel, and praying that tonight it would all work. I soon learned that the more slides I showed the less the audience listened to me. So I cut back on the slides. I also noticed that when I switched to a black screen (see #9) the audience turned all their attention to me. So I practiced fading to black whenever I told a story or had an important point to make.

How I started

When I switched to PowerPoint I suddenly had a candy shop full of treats to sweeten my presentations with. And I started making all the same mistakes again: too many slides, too much content on each slide, and too distracting. After every presentation I always do a quick debrief – what worked, what needs to change? And slowly I developed a checklist for slide presentations.

I have shared with checklist with hundreds of speakers to help put the spotlight on them. Some were designing a new speech, some were preparing for a webinar and others needed slides to back up a video presentation. In every case, this checklist made their presentation better. They sold more products, got more referrals, and, in most cases, spent a lot less time working on their slide deck.

If you’ve ever struggled to create interesting slides or worry your slides are too wordy or you have too many of them, this will help.

Here are my 10 easy ways to make any PowerPoint presentation awesome.

1. Build your slides last

This might be the most important rule on the list. Don’t build your slide deck until you build your presentation.

You could be tempted to start monkeying with slides early in your speech writing process – after all, it’s a fun way to procrastinate from all that hard thinking – don’t. Building your slide deck before you build your presentation is like building a road before you know where it’s going.

Your slides are there to ADD to a well-designed speech, not to replace it.

2. Don’t try to replace you

People come to hear you. If you are launching your service on a webinar, they want to know how this solution has helped you and whether is it right for them. If you are delivering a keynote speech or workshop, they want a glimpse into your solutions that can help move them forward in their work or in life.

Fancy transitions, superfluous video clips, and endless bullet points will get your audience’s attention, but take their attention off of you. Every time you hit the clicker the audience leaves you and goes to the screen.

Your goal for every presentation is to deliver the goods, not the slides.

3. Use a consistent theme

We are easily distracted and confused. That’s why brands always anchor advertising on their unique colors, fonts, slogan, or a jingle. They know that consistency in their brand theme builds recognition and puts more attention on the message. You should do that with your slides.

Start with a simple, white background and san serif fonts.

4. More images, less text

Want to quickly reenergize a tired slide deck? Make your images larger ( in this post I share where to get free images ) and reduce the text size. Remember, the theme in this post is that you are the presentation, not your slides.

Your brain can process images 60,000 times faster than text. When you use images (and less text) you allow your audience to process the image without distracting them away from your powerful story, or making a critical point. Like subtle mood music in the background of a dramatic movie scene, images can augment and enhance what you are saying without stealing the show.

5. One story per slide

When I started using PowerPoint I would have 60 to 80 slides for a 60-minute speech. It was a lot of work to prepare each deck and when I was deep into the speech I would sometimes forget where I was and have to jump forward a couple of slides.

Then it became 30-35 slides and I could breathe easier, knowing that fewer clicks meant less to worry about. As my confidence grew it became 10-12 slides and each slide became a key part of storytelling or point-making—they had to earn their place.

I might use a slide as a backdrop to a story or for a short list that supports a lesson I’m delivering. Either way, it’s always on ‘story’ per slide. If I don’t need a slide, I fade to black (#9).

But, I always stick to one story per slide.

6. Reveal one bullet at a time

This is an easy one – reveal one bullet at a time. The function of bullets is to reinforce (not replace) what you are delivering. That’s why they need to be short (see the 2/4/8 rule, below). A good bullet point is complete on it’s own, but much better when combined with a live presentation of it. Here’s an example from a list of (very wordy) time management strategies:

  • Infrequent visits to your Inbox give you more time for deep work
  • time blocking allows you to protect time for important work
  • the Pomodoro technique can help you focus with fewer distractions

A better list – like one you might use on a PowerPoint slide – would be:

  • visit your Inbox less often
  • block time for important work
  • the Pomodoro technique helps you focus

To reveal one bullet at a time in PowerPoint, right-click on your text box, select Custom Animation > Add Entrance Effect and then choose the effect you want. In Keynote, click Animate > Build in and choose the effect you want.

7. Leave the fireworks to Disney

It’s great that you know how to turn text into flames and make images spin with the click of your mouse – but leave those fireworks to Disney. Your job is to make your content the star of the show. Every time you haul the audience’s attention away to some animation you lose a truckload of opportunity to help them.

Your slides can still be amazing and helpful, but that should always be secondary to your primary purpose of helping people. Simple transitions, clean, san serif fonts, and large, attractive graphics trump PowerPoint tricks, every time.

8. The 2/4/8 rule

When I am advising other speakers I often don’t know their topic—certainly not as well as they do. So I rely on certain rules I have developed over many years. For slide decks, I use my 2/4/8 rule. Here’s how it goes…

  • about every 2 minutes I have a new slide (that’s 30 slides for a 60-minute speech),
  • no more than 4 bullets per slide, and
  • no more than 8 words per bullet.

Just like any recipe, you can mess with the ingredient a bit. If your content is more technical, you might need more slides. Sometimes I need 5 or 6 bullets. I use the 2/4/8 rule to remind me that slides are there to support what I have to say, not replace me.

9. Fade to black

The last time I was shopping for a car, I noticed the salesperson had a clever technique. While he asked how I liked the car and if I had any questions, he kept his sales offer face-down on the table. Because there were no other distractions, he had my full attention. And when it was time to reveal his offer, it was much more dramatic (so was the price!) Use the same technique with your slides.

When you fade to black you regain your audience’s attention. For example, after I present a solution, I’ll fade to black while I expound on how to apply that solution in my audience’s work/life. When I’m finished, I turn black off and go to the next point. Or if I’m halfway through a story I’ll fade to back before the punchline so I know I have everyone’s attention.

It’s no different than a close-up scene in a movie—the director wants you to focus only on the speaker. Note that if you are shopping for a slide remote, be sure that yours has the black screen feature.

10. When in doubt, delete

This might be the most advice I can leave you with. When in doubt, delete it.

There is a weird attraction to more. Authors add more pages thinking it makes the book more valuable. Sales people who talk too much miss the opportunity to ask for the sale. And presenters add more slides thinking it will make them look better. Wrong.

When you are doing the final edits on your slide deck, the ultimate question you should be asking about each slide is, “Will it make my speech better?” If not, dump it.

Remember, nobody will miss what isn’t there. Also fewer slides allows you more time for side stories, spontaneous thoughts or even time for Q&A.

Remember this…

I’ve said it numerous times in this post, but it’s worth repeating. You are the show, not your slides. More slides means more time your audience is not paying attention to you. Fewer (and better) slides means you have more time to build rapport, share memorable stories, explain your solutions and motivate your audience to action. You are there for a reason. Now go and deliver.

One last thing. Spend the $80 and pack a remote (with spare batteries.) Nothing’s worse than watching a speaker repeatedly lean over, hunt for the right key, and then peck away to advance the slides.

Avoid overcrowding your slides with images or graphics. Although it’s fine to use visuals to complement your slides, the keyword here is “complement.”

Too many photos will make your slides look cramped. Take a minimalist approach to your slides. For images and graphics, use them sparingly and thoughtfully.

Don’t be afraid of white space in your slides. Consider readability first, visual appeal second.

5. Use pictograms.

Lengthy presentations could get boring in the long run. So if you want to keep your audience’s attention, you will need to make your presentation attractive and easier to understand.

Pictograms express information, ideas, or messages through images, signs, or symbols. Also, they can help simplify complicated concepts.

6. Be thoughtful of your color scheme.  

Your choice of colors can have an impact on your audience’s mood and perception of your presentation. It may not be evident at first glance, but your presentation colors can draw a particular set of feelings from your audience. Orange looks more carefree than beige, right?

Here are some quick tips to help you pick the right color combination for your presentation:

  • Choose a color scheme that matches your presentation’s theme. For example, if you’re about to present a serious topic, consider somber, dignified colors like white, black, or brown. But if you want your presentation to be more upbeat, use lighter hues like yellow and orange. 
  •  Use your brand colors to raise brand awareness and recognition. 
  • Stick to 2-3 colors. Joint research by Adobe and the University of Toronto revealed that most people prefer a combination of 2-3 colors. A good rule of thumb is not to use more than four colors. When using more than 3-4 colors, go for shades, tones, and tints of your original colors like the example below.

7. Focus your audience’s attention using data visualization.

Presenting statistics and percentages in writing can be a challenge to use in your presentation. For this reason, consider data visualization.

For example, graphs and charts are often used to highlight comparisons in data. You can also use them to inform your audience of a specific data point.

It’s worth noting that a poorly-designed graph or chart could ruin your presentation if proven false or shabbily done. Make sure that your data are correct, and your diagrams or charts are correctly labeled. Don’t just use pie charts because they look hip and smart. You have to learn how to choose the right chart or graph to visualize your data.

8. Use presentation templates.

Templates often take a bad rap because they’re perceived as limiting, sapping one of creative freedom. However, templates shouldn’t be perceived this way.

Think of templates as frameworks or a set of building blocks that you can tinker with as you create your presentation. Without a templated structure, you’ll likely waste a lot of time and resources making your presentation from scratch.

9. Try the duotone effect in your presentations.

The duotone effect is the use of two contrasting colors to create dramatic, visually pleasing results. Thus the name duotone.

10. Show, don’t tell.

Stories are a powerful medium to get your audience to sit up and listen to you. For this reason, aim to “show” rather than “tell” your audience about a topic, insight, or idea.

For example, don’t just state facts or figures about the dangers of not investing in their retirement. Instead, share the story of someone you know who failed to plan for their retirement, nudging your audience towards making their own conclusions or insights.

Don’t bombard your audience with too much information all at once. Avoid jargon or complex concepts without sharing a story that’ll resonate with them. With compelling storytelling, you can create anticipation and then slowly build up to your key points.

11. Incorporate infographics into your presentation.

Infographics are valuable presentation tools because they combine visuals and text. As a result, you can communicate with impact.

Furthermore, infographics make your presentation more memorable. How?

A relevant image paired with informative text helps people retain 65 percent of the information three days later — a stark contrast to presenting text-only content where someone’s likely to remember only 10 percent of the information.

12. Avoid using bullet points.

Bullet points are great tools to emphasize tips, features, or steps in lists. However, it’s best to avoid them in presentations because they don’t help your audience retain information.

Research even supports this recommendation. In 2014, the International Journal of Business Communication published the results of their research —   The Use of Visualization in the Communication of Business Strategies: An Experimental Evaluation .

The researchers wanted to learn whether the use of visuals is superior to text (a bulleted list to be specific) in communicating the strategy of the financial services branch of an international car manufacturer.

The researchers concluded the following:

“Subjects who were exposed to a graphic representation of the strategy paid significantly more attention to, agreed more with, and better recalled the strategy than did subjects who saw a (textually identical) bulleted list version.”

Instead of using bullet points, consider using icons or visuals.

Take a look at the example below. Which do you think will likely get the audience’s attention and be more memorable after the presentation?

13. Choose fonts that are easier to read.

The quality of your font could affect your audience’s reaction to your presentation. Don’t just use the first standard font that pops up in your presentation editor.

Your font should match the mood and intent of your presentation. If you want your presentation to appear casual, choose a font that gives off a similar feeling.

14. Use contrast in your presentation.

Check for contrast between your texts and presentation background to ensure readability. Make it a point to distinguish one from the other.

It’s also worth noting that you are going to show your presentation to a group of people. Depending on the seating arrangement, viewers at the back may find it hard to read your presentation. Make sure that your fonts are of the appropriate size. That way, none of your audience members will have to struggle reading your slides.

15. Consider gifs and memes

Gifs and memes are popular media tools for a good reason. You could incorporate them into your presentation, and they could add a sense of humor to your topic or pitch.

When using gifs and memes, avoid those that could be misinterpreted as politically incorrect or culturally insensitive.

16. Create a consistent look and feel in your slides.

Choose a theme for your presentation templates, and stick with it ’til the end.

This doesn’t mean that you should be boring or dull with your presentation. You can add images and infographics, but there should be a sense of consistency in your slides.

Consistency leads to familiarity, which in turn encourages learning and engagement.

17. Ask intriguing questions.

Asking intriguing questions enables you to draw your audience’s attention and highlight key points at the same time.

For example, you are conducting a presentation on the Roman empire. You want to get your audience’s attention, so you raise questions such as what they know about the Roman empire, and how did the Roman empire impact modern society?

The audience may or may not get the right answers, but they will most likely try their best to answer your questions. The resulting exchange of ideas will make your presentation more spontaneous and engaging.

18. Limit to one visual per slide.

Using too many visuals at once will make your presentation appear cluttered. Limit to one visual per slide to help your audience engage more with your text and information.

19. Embrace white space.

White space , also known as negative space, is the space between the lines of texts and visuals in your presentation.  It doesn’t have to be  white  as it can also take the color of your presentation’s background. Think of white space as “empty space”. 

It helps improves readability and ensures that your graphics and texts are clear and legible in your presentation. 

20. End your presentation with an excellent call-to-action.

Call-to-action statements are an integral part of any presentation. They compel your audience to take action, and it makes your presentation more interactive.

Best practices for virtual presentations: 15 expert tips that work for everyone.

In today’s COVID-19 world, virtual meetings and presentations have become the norm. While many presentation skills and best practices apply to both in-person and virtual presentations, expert virtual presenters understand the importance of adjusting their approach to match the medium. With in-person presentations, you more or less have a captive audience — you still need be engaging, but your audience is kind of stuck with you for the duration. But with virtual presentations, your audience has a greater opportunity to stray. You now have to compete for their eyes, ears, hearts, and minds against diminished attention spans, increased home and work life distractions, and conflicting priorities. 

Here are 15 expert tips to set you up for success in your next virtual presentation:

1.     Get the Lighting Right:  As a presenter, it is essential that people can see you well. Make sure you have good front light—meaning the light shines brightly on your face. If your back is to a window, close the shades. While natural light is often the best choice, if your home office doesn’t have natural light and you do a lot of virtual presentations, consider purchasing supplemental lighting to enhance your image.

2.     Choose the Right Background:  Try to use a background that enhances your professional image and is aligned with your message. Avoid a cluttered background or anything that can be distracting. Learn whether your presentation platform enables you to use virtual backgrounds (like Zoom) or whether you can blur your background (like Microsoft Teams). Your background can either add to your professional presence or detract from it.

3.     Know the Technology:  Nothing kills a presentation faster than a presenter who fumbles with the technology. This is a performance, so make sure you know how to make it work. A dry run is essential so that you’re comfortable with the platform features. It’s best to have a co-host (or producer or moderator) assist you with the technology so that you can focus on your presentation. Make sure you practice with the same technical set up (computer and internet connection) that you will use when you deliver the presentation.

4.     Play to the Camera:  When you are the one speaking, look directly into your computer’s camera , not on the screen or at the other participants. This takes some practice, but it makes the viewer feel as if you are looking right at them. Some presenters turn off their self-view so that they aren’t distracted by their own image. Put the camera at eye level . Try not to have your camera too far above or below you. If it’s too low, then you run the risk of creating a double chin. A camera too high makes it difficult to maintain eye contact, as you may find your gaze dropping as you speak. If you are part of a panel or a team of presenters, make sure you are aware of when your camera is on. If you are not speaking but your camera is on, make sure you look like you are paying attention! Powerful presenters understand the importance of making eye contact with their audience, so this means you have to simulate the same effect virtually.

5.     Get Close (But Not Too Close).  You want the camera to frame your face, neck, and shoulders. People are drawn to faces, so you don’t want to lose that connection by being too far away, but you also don’t want your face to take over the whole screen like a dismembered head because, well, that looks weird. Practice your positioning and distance.

6.     Stand Up:  If possible, use a standing desk or position your laptop so you can stand at eye level with your computer. Standing up provides a higher energy level and forces us to put our body in a more presentation-like mode. If you have to sit, lean forward as you would if you were presenting at a real meeting or as if you were a TV news anchor. Avoid slouching away from the camera, as that sends a signal that you are disconnected from the audience.

7.     Be Animated:  Just like in a live presentation, you want to present with a little energy and animation. Too slow or too monotone in your voice makes it easy for folks to disengage and tune out. Keeping people engaged virtually requires you to actually be engaging.

8.     Pace Yourself:  Without real-time visual audience feedback cues, getting the pacing right can be difficult. Even though you want to infuse some animation and energy into your presentation don’t pump up the speed too much. If you tend to be a fast talker in real life, practice slowing down just a bit. If you’re a slow talker, you may want to speed up just a bit.

9.     Do A Sound Check:  If your sound is garbled, people will tune out. While people may forgive less than perfect video, if they can’t clearly hear you, they will leave. Practice with someone on the other end of the presentation platform. Make sure your sound emits clearly. Sometimes headphones or external microphones work better than the computer audio, sometimes not. Every platform is different, so make sure your sound quality is excellent every time. And again, you should practice with the same technical configurations and location that you will use for your presentation.

10.  Plug into Your Modem:  If possible, plug your computer directly into your modem using an Ethernet cable. This will give you the strongest signal and most stable internet connection. The last thing you want to happen during your presentation is to have a weak or unstable internet signal.

11.  Incorporate Redundant Systems.  If using slides, make sure someone else (another webinar co-host or producer) also has a copy of the slides just in case your internet goes wonky and you have to present by calling in. If you are using slides, make them visually appealing. Use high-quality graphics and limit the amount of text on each slide. It’s your job as presenter to deliver the content. The slides are meant to enhance your spoken words, not replace them.

12.  Engage Your Participants. Just as if you were doing an in-person presentation, craft your presentation to engage the audience. Incorporate chats, polls, raised hand features, etc. Try not to speak for more than ten minutes without some sort of audience engagement. Use the participant list to interact with your participants by name. Have people chat or raise a hand if they want to speak. Keep track of the order of people and then call on them to invite them to turn on their mics or cameras. 

13.  Let Someone Else Check the Chats.  Don’t get sidetracked by the chats during your presentation. You’ll be shocked at how distracting it is to your train of thought if you attempt to read the chats while speaking. Instead, have your co-host or producer monitor the chats. If you ask people to chat you answers or comments to a question you’ve posed, then pause your talking and engage directly with the chats by acknowledging them, reading them out loud, and commenting on them. 

14.  Evaluate and Enhance:  If possible, record the session and take the time to play back and look for areas that worked well and areas that you might want to improve upon. Great presenters, whether virtual or in person, understand the value of continually honing their craft. Be sure to acknowledge your strengths as well as your areas of improvement.

15.  Be Yourself and Have Fun:  Again, just like in face-to-face presentations, audiences connect to authenticity, so be yourself! Let your personality show through. Have fun. If you look like you’re enjoying the presentation so will others. Research shows that happy people retain information better than bored or disinterested people, so model the energy that you want to create. The audience takes its cue from you.

Remember, whether you are presenting in-person or virtually, all presentations are performances. And all performances are in service to your audience. Their time is valuable, so honor that time by delivering the best presentation you can. No matter what kind of presentation you are giving, you must find ways to create authentic audience connection, engagement, and value.

PowerPoint has reign supreme as the software everyone used for making presentations for many, many years. Despite the fact that there are dozens of other free presentation-making tools , the Microsoft Office program is still the go-to. And for a good reason! PowerPoint offers an amazing array of possibilities when working on a presentation. And, even better, is very intuitive and easy to use for anyone familiar with the Microsoft Office program set.

In 2009, a new option for presentations appeared: Prezi . Unlike PowerPoint’s rigid linear structure, Prezi uses a completely different approach to presentations. Prezi presentations are focused on storytelling . Instead of slides, Prezi presentations form “mind maps” where you can navigate freely, zooming in and out of different topics as you see fit. Prezi presentations have a unique “flow” that is very different from traditional ones made in PowerPoint.

Each of these presentations tools have their pros and cons , and both are incredible audiovisual complements for all kind of presentations. As we are usually more familiar with the PowerPoint style, Prezi presentations can feel more eye-catching and interesting. However, Prezi requires patience and time to learn how to use completely new software. It’s been accused of being not very user-friendly, and many people give up on it in favor of classic, trustworthy PowerPoint.

Make a presentation in PowerPoint look like Prezi

All this doesn’t mean Prezi is a bad option for working on your presentations. But as PowerPoint is usually the presentation software many of us has grown with, it can be difficult to make the transition towards a new software. Luckily for those without the time or will to learn how to work with Prezi, you can still make a Prezi-like presentation in PowerPoint.

Here you’ll find 2 easy ways to make your PowerPoint presentation look like a Prezi one.

The Zoom Tool

The first (and most effective) option for making a PowerPoint presentation look like a Prezi is the Zoom Tool. More specifically, the Slide Zoom feature. It is a pretty easy and straight forward process. So, are you ready to make your PowerPoint look like a Prezi presentation?

1. Main Slide

First of all, you need to have your main slide ready . Prezi presentations work as a mind map, so your main slide will be an overview of your whole presentation. From here, you’ll be able to zoom in or zoom out according to what you need when presenting. But this main slide is the backbone to where you’ll always return.

A great idea for main slides is to use pictures of work desks or anything that will naturally offer you different elements, so your slides can be incorporated seamlessly into it. For example, I have picked as my main slide this timeline slide. Each of the blue squares is going to be a secondary slide I can zoom into.

2. Secondary Slides

Make your secondary slides . I found it easier to have them all ready to use and add them all together. Of course, you can always make and add them with the zoom effect one by one. But in this case, you’ll see that here all my secondary slides already good to go.

3. Zoom In!

Now it’s time for the zoom! Go to your main slide, pick the Insert tab > Zoom option (in the Links group) > Slide Zoom .

It’ll open a new window where you can pick which secondary slides you want to be able to zoom in, and click Insert .

4. Arrange your slides

You’re almost done! You’ll now be able to see direct access to your secondary slides on your main one.

Now, you just need to arrange them until you are satisfied with how your main slide looks. Don’t worry about those little numbers you see in the thumbnails of your secondary slides. They just mark the slide order, and will not appear once you’re in presentation mode.

5. Make your PowerPoint feel like Prezi

To make your PowerPoint presentation really look like Prezi, it’s important that you can “zoom-out” and return to your main slide after zooming into whichever slide you pick. To do this, pick any of your secondary slides Zoom tab > Return to Zoom option. Do the same for each one of your secondary slides.

And here you have the final product! Here you can see it in the automatic order the slides will go into if you use the arrow keys. But you can also use your mouse to click on any of your secondary slides, and follow your presentation as it develops. You’ll be able to jump from one slide to another with no problem, just like in a Prezi presentation.

Customize your Prezi-like PowerPoint

As you can see in the Zoom tab , you can customize your presentation as much as you like. You can increase the duration of the zoom effect, and this will make the transition less abrupt. If you feel that having a miniature of your slide gives away too much information, you can replace it with another image with the Change image option. And in the “Zoom Styles” option, you can customize even more your secondary slide thumbnail. Try the Zoom Background option to make your secondary slide thumbnail mix seamlessly with your main slide background. The sky is the limit!

Important note: Take into consideration the Slide Zoom feature is only available in Microsoft 365 and Microsoft 2019. So if you have an older version, chances are your PowerPoint software is not going to offer this feature. Luckily, as PowerPoint is an incredibly popular tool, there are many other options available for you! PowerPoint Labs is a completely free add-in that offers an amazing array of brand new features for your presentations, including a zoom tool.

The Morph Tool

While this feature will not make your PowerPoint presentation look exactly like Prezi, it’s still worth mentioning. Morph is an amazing new feature for Office 365, that allows you to make complex transitions between slides. When done correctly, the morph tool can make your presentation look more like a professional video than a PowerPoint presentation!

This is just a tiny example of what you can do with this tool. Morph is an amazing and powerful feature that will help you take your presentation to new heights. But, of course, it comes with a learning curve. You can use it to animate words, create anagram effects, and even give your images 3D rotations. Note, there are so many ways to make creative PPT designs, and you could push your template in any direction you prefer. They are completely customizable, so the sky's the limit. Consider it a starting point, or, if you're in a hurry, it could be a complete solution.

1. Grab Your Audience's Attention

First impressions count. If you want to get off on the right foot, you need an opening slide that creates interest. Presentation topics on PowerPoint set the tone with strong hooks.

Less is more when it comes to an opening slide. It's better to make a spoken statement that captures an audience from the beginning than load up the opening slide.

I'm a big believer that audiences connect to the individuals behind products. Visit any startup or small company and they almost all feature a "Team" page. These showcase the members of the company. These are also vital if you're looking to bring in investors with a presentation pitch deck .

Increasingly, I find myself buying from companies with teams that have interesting stories. Pair this with the right experience and you have a compelling reason to make a purchase. It’s a powerful way to make a PowerPoint presentation work for you.

Even if your team can't join for the presentation in person, this slide can build familiarity. A slide that introduces the team will get your audience familiar with their work and build a sense of connection. It's a great opportunity to give credit where credit is due.

3. Share Your SWOT Analysis

Now that you've introduced the team, you can start building toward your big product reveal. One of my favorite ways to assess a business is to use a  SWOT  analysis . It's where you list the  Strengths, Weaknesses, Opportunities, and Threats  that exist.

The SWOT analysis can help your audience understand why you developed your product, and how it fits with other products in your niche. Basically, consider what need your product fills that isn't already met?

4. Unveil The Product

So, we've been hinting at our product up until now and it's time to pull the curtain back on what it is. This would be a great time to use a screenshot or a video to show off your product. Make a PowerPoint presentation your big reveal!

Have you ever sat through a boring presentation? I’m going to guess your answer is “yes”. Invariably, when we ask this question to our program participants, all hands go up.

Think back to those presentations. I’m willing to bet there was a common element: a deck of densely packed  PowerPoint slides  behind the speaker.

Now, I don’t know about you, but as soon as I see slides like this in a presentation, my attention immediately starts to wane. You would think that visual information, graphics and graphs would enliven and enrich a presentation. But it’s not the software itself that’s the problem – it’s how it’s being used.

So how can we communicate more effectively –  without relying heavily on PowerPoint ?

In part one of our two-part video series  Presenting Without Slides,  I talk about why PowerPoint is such a presentation killer, and how to reframe your approach to using slide deck software in a way that is more  engaging to your audience .

How to Present Without Powerpoint

01. only use slides if they add value to your presentation.

For tens of thousands of years, humans have demonstrated effective communication without PowerPoint. Global businesses have been built, wars won and lost, worlds ‘discovered’ and centuries of learning compiled and shared without the use of PowerPoint. Projected imagery itself is, of course, a modern invention.

And while there is value in visual aids, we need to start thinking of ourselves as communicators first.

If the PowerPoint deck communicates the message or is used to simply format content ideas, then hand it out for people to read and follow it with a Q&A. Presenting is foremost a spoken, auditory experience with the visuals providing support and value.

Each slide needs to be rigorously and brutally assessed with this question: “How does this slide enrich, deepen or support the message?”

While stepping away from PowerPoint might seem daunting, numerous engaging visual aids can captivate your audience. Consider utilizing:

Whiteboards or Flip Charts: Engage your audience by sketching diagrams, mind maps, or key points as you speak. This interactive approach allows for real-time interaction and visual learning.

Props and Objects: Incorporate relevant props or physical objects related to your topic. For instance, if discussing teamwork, use a puzzle or rope to illustrate your point visually.

Handouts or Infographics: Prepare concise handouts or visually appealing infographics that complement your verbal presentation. These can be distributed before or after your talk to reinforce key information.

02. Be Confident Presenting Without Props

Imagine you walk into the room – no PowerPoint presentation behind you, no notes, no visual aids, no clicker in hand. You simply stand there in front of your audience and speak with zest and authenticity.

If you do this, you convey to your audience the  quality of authority . You’re saying, “I am confident enough to stand before you without the props to help me, because I am enough. What I have to share and say is enough value in and of itself.”

When you own the space, you become the powerful communicator.

Ask yourself, “If the projector exploded, or the whiteboard magically melted, could I still deliver the outcome? Would I have enough confidence in myself to articulate and convey my messages in a manner that engages and enriches my audience – and deepens their ability to apply what I have presented?”

Your answer must be “Yes!” It’s that simple. And that challenging.

Don’t believe me? Well, why not try it for yourself?

If you do get stuck try encouraging audience participation to create an immersive experience and take some the pressure off you.

These could include:

Group Activities or Exercises: Break your presentation into segments where the audience collaborates in small group discussions, activities, or problem-solving exercises. This fosters active engagement and reinforces learning.

Q&A and Discussion: Allocate time for open discussions, allowing attendees to ask questions or share opinions. This promotes dialogue and deeper understanding while keeping the presentation dynamic.

03. See Yourself as a Visual Aid

The third step to avoiding a dreary presentation is to think of yourself as a visual aid. Yes – you are the reference point! The other stuff you bring into the room is just collateral that either supports or distracts from what you have to say.

Your physiology, gestures and voice can create interest, intrigue, imagery and emphasis.

Your presence on stage is a significant visual aid itself. Consider these tips:

Body Language and Delivery: Use expressive gestures, varying tones, and impactful body language to emphasize key points. Your physical presence and energy level play a crucial role in engaging your audience.

Eye Contact and Connection: Establishing eye contact and connecting with your audience builds rapport and ensures their attention remains focused on your message.

Examples of Successful PowerPoint-Free Presentations

TED Talks: Many TED speakers deliver powerful presentations without relying heavily on slides. They use storytelling, props, and personal anecdotes to convey their messages effectively.

Live Demonstrations: Tech companies often showcase product features or concepts through live demonstrations instead of slides. These real-time examples create an engaging experience for the audience.

Remember, effective presentations rely on your confidence, communication skills, and ability to connect with your audience. PowerPoint is just one tool among many for communication. By exploring alternative methods, you can create impactful presentations that resonate long after the session ends.

Don’t shy away from experimenting with different presentation styles and tools to find what works best for you and your audience. It’s about delivering a memorable experience that leaves a lasting impression!

The idea was simple: Each attendee creates a PowerPoint on something they want to rant about, then presents it to the group. As in-person gatherings slowly returned, TikTok continued to popularize the trend, as friend groups took videos of their own PowerPoint parties. There are no hard-set rules on what topics to cover, so people can get very creative with their presentations .

While there are plenty of articles out there offering ideas for prompts or tips on hosting PowerPoint parties , there are very few out there delineating just how to pull off a presentation with pizzazz. I’d like to offer some tips and tricks, based on a real presentation I gave at my own Discord party.

Have a clear, central thesis

No one wants to listen to you ramble about something that you aren’t passionate about! The first thing to do after being invited to a PowerPoint presentation party is to pick a topic that really matters to you. For instance, in the below example, I made a whole PowerPoint based on the fictional men I am in love with, a subject on which I could absolutely talk about at length.

You’ll want to make sure to elaborate on your title in a further slide. This is also a good chance to start really showing your expertise. In my case, this meant delineating some parameters and illustrating the taxonomy of fictional men I am attracted to.

Reiterate your main point in a simple form

Think of this as the last sentence of your intro paragraph in a paper you turn in for school. This is what you want in people’s minds when you continue on with the presentation. Ideally, keep it punchy and short, and if you can make it sound like a meme, then it’s more likely to stick in people’s facts after the example.

Each slide should bolster your central thesis. Some people may opt for a narrow scope, which is completely valid. I like to cast my net wide in order to show just how all-encompassing my theory is. In this particular presentation, I used Jeff Winger from Community , Han Solo from Star Wars , Aaron Hotchner from Criminal Minds , and Chrom from Fire Emblem: Awakening to illustrate my taxonomy. A wide gamut of entertainment! (Also, this way it wasn’t just anime boys — that’s a separate article).

Use your bullet points as a starting point, not the whole spiel

The slides themselves should merely be a tool to aid your presentation. Use them wisely. I find it most effective to put something bold and eye-catching as a bullet point to grab attention and then expand on that in your speech. When I say, “Every time he says something stupid, I want to rail him” on a slide about Shigure Sohma from Fruits Basket , I use that simple sentence as a launching point to discuss his complicated motives and compelling allegiances throughout the anime.

Embrace visual aids

A picture is worth a thousand words and therefore, eight pictures of handsome men is equal to a very long article or short story! In this slide about Roy Mustang and Howl Pendragon , I mostly wanted to illustrate different moments where they fulfill the two seemingly contrasting categories of fictional men I have described. No bullet points are needed, because I can poetically wax on about how both these men use a playboy persona to cover up a seething rage and mission that might see them going too far.

The worst thing you can do in front of an audience is be forgettable. Whether you totally ace your presentation with suave charisma or whether you laugh through the entire time — as long as you make a splash, you’ve won. Embrace whatever weird topic you’ve chosen. Own it. You too could be writing about it for a website one day.

Another X post states: “Biden is trying to sit in a chair that doesn’t exist. The problem is that he intends to continue running for the presidential elections.”

But the video spreading online cuts off right before Biden takes a seat. In footage of the ceremony in its entirety , the president glances at his chair, bends over, pauses as Austin’s introduction begins and then sits down at the same time as Macron, their wives and the people sitting behind them. Biden’s chair is visible throughout the video although it is obscured in some sections.

Biden spoke later in the event , pledging “we will not walk away” from Ukraine, drawing a direct line from the fight to liberate Europe from Nazi domination to today’s war against Russian aggression. He called D-Day a “powerful illustration of how alliances, real alliances make us stronger.”

The June 6, 1944, D-Day invasion was unprecedented in its scale and audacity, using the largest-ever armada of ships, troops, planes and vehicles to punch a hole in Adolf Hitler’s defenses in western Europe and change the course of World War II.

Now there are 10+ with pre-recorded “perfect “ videos. When Steve had to ask audience to switch off their wifi to make the presentation smoother, that was part of life.

"We all know what he can do. Not going to talk too much about him. Want him to be in that mindset throughout the WC. He's a genius, we all know that. Crowd was superb. Pakistan captain Babar Azam also opened up about his team's dismal performance.

But in that period we had too many dot balls. Can't expect much from tailenders. Our mind was to utilise first six overs in batting. Have to win last two matches. Will sit and discuss our mistakes but looking forward to last two matches," he said at the post-match presentation.
