If we consider the research and writing part of a presentation, then a group presentation doesn’t seem that different from a single-person presentation.

Sometimes, a few group members might not work as hard as the other ones, thus increasing the workload on the other members. 1. Decide On The Purpose Of Your Presentation

First and foremost, you must determine what is the purpose of your presentation. It might seem like a redundant step, but trust me: it’s not. You’ll be surprised by how different people perceive and understand the same topic.

So, say you’re delivering a research paper on the topic “The Effect Of The Coronavirus Pandemic On Street Animals”, sit down together and ask your group members what each individual person thinks the topic is about and the points they feel we need to include in it.

If possible, one member can jot down all the points that the other speakers make, and once all the members are done talking, you can come to a consensus about what to and what not to include in the presentation. 

2. Choose A Presentation Moderator 

In the simplest terms, the presentation moderator is the designated “leader” of a group. That is, they’re the one responsible for the effective functioning of the group, and to make sure that the group achieves their shared purpose i.e giving the presentation.

They sort out any potential conflicts in the group, help out other members when they ask for guidance, and also have the final say on important decisions that the group makes. The best and the simplest way to select the presentation moderator is by vote. This will ensure that every member has a say, and avoid any potential conflicts in the future. 

3. Divide The Work Fairly  

The next step is to divide the work. The best way to do this is to break your presentation into equal parts, and then to assign them to group members. To know the individual strengths and weaknesses of group members, it’s important to carry out a member analysis. Not everyone feels comfortable in front of a crowd. Or, someone could be great at building presentations, but not so good with speaking into a mic. On the contrary, a member might be an excellent orator but terrible with technology.

So, in order to efficiently divide the work and to have a seamless presentation, carry out a member analysis beforehand. 

5. Individual And Group Practice Are Equally Important 

Individual practice is important as it helps you prepare the presentation in solitude, as you would if you were the only speaker. Practicing alone is generally more comfortable, as you do not have to worry about other people watching or judging you.

It also allows you to prepare at your own convenience and time, while for group practice you’ll have to adjust to when it’s convenient for the other members to practice, as well.

Besides, the individual practice also saves the group’s time as each member can simultaneously but separately prep their own part, while group practice sessions are often longer as the other members generally have to pay attention to the speaking member instead of their own bit.

However, it’s essential to do group practice at least three to four times before delivering your presentation. This is important not just for the smooth delivery of the presentation, but also for the group members to grow comfortable with each other.

Group practice sessions also help you time out the total duration of the presentation, have smooth transitions between speakers, avoid repetitions, and also sort out any potential hiccups or fallbacks in the presentation. 

6. Perfect The Transitions 

A common fallback of group presentations is having awkward transitions between members. Not only will this be an unpleasant experience for the audience, but it might also make you waste precious time.

So, make sure you practice and perfect the transitions before the big day. It doesn’t have to be too long–even a single line will do. What matters is how well you execute it. 

7. Bond With The Group Members 

Bonding with the group is a great way to enhance the overall presentation experience; both, for yourself as well as the audience. This is because a better bond between the group members will make for the smoother functioning of the group, reduce potential conflicts, make decisions quickly and more easily, and also make the presentation fun!

The audience will also be able to sense, maybe even witness, this camaraderie between the members. They will thus have a better viewing experience.

There are many ways to improve the bonding between group members. Before the presentation, you could go out for dinner, a movie, or even meet up at one location–like somebody’s house–to get to know each other better. Group calls are another option. You could also play an ice-breaker if you’re up for some fun games!

8. Watch Other Group Presentations Together 

This is another great way of bonding with the team and also improving your presentation skills as you do so. By listening to other group presentations, you will be able to glean a better idea of how you can better strategize your own presentation. As you watch the presentation, make note of things like the time division, the way the topics are divided, the transition between speakers, etc.

Besides, an introduction will make the members feel more included, and if done correctly, can also give a more shy member a confidence boost. The simplest way of introducing members is to have the person beginning the speech do it. Alternatively, the presentation moderator could do it.

2. Coordinate Your Dressing 

What better way to make people believe that you’re a team than dressing up as one? 

Coordinated dressing not only makes the group stand out from the audience, but it can also make the group members feel more like one team. 

A general rule of thumb is to dress one level more formally than your audience. Don’t wear your casual clothes: remember that it’s a formal event and your clothing must reflect that. Also, keep in mind individual preferences and beliefs while choosing the clothing.

This is important as if a person is uncomfortably dressed, it can have a negative impact on their performance, which will eventually be detrimental to the group performance.

3. Make Sure To Incorporate Visual & Audio Aids

Visual elements like photographs, videos, graphs, etc. Are a must in all presentations, group or otherwise. This is because visual aids help the audience better understand the topic, besides making the presentation a better experience overall. Same goes with audio elements, which include things like audio clips, music, background sounds etc. 

So, if you wish to have your audience’s attention, make sure to incorporate tons of visual and audio elements in your presentation. You could also divide the kind of visual elements you use between different members: for example, one person could show a short documentary to expand on their point, and the other could make use of memes and animation to add a dose of fun to their part. 

4. Pay Attention To What Others Are Saying 

Another thing to keep in mind while delivering your speech is to pay attention to what the other speakers are saying. While it might be tempting to tune out others and use the extra time to rehearse your own presentation, it’s not a good idea to do so.

Remember that the audience can see each speaker on the stage. If you don’t look interested, then why should they pay attention? Besides, your lack of attention can make the speaker feel bad: if their own team members aren’t listening to them speaking, does that mean they’re doing a bad job? So, make sure to keep your eyes and ears on your teammate as they deliver their speech.

5. Remember All Speech Parts By Heart 

This is a great way to ensure that you have a seamless presentation. One of the primary benefits of having a team to work with is knowing that you can turn to them for help if something goes wrong.

So, it’s important to not just practice and work together but to also be well-versed in what other group members are going to be saying. This will make it easier for you to cue or help someone if they forget their part. Also, if there’s an emergency or if a member is not able to make it to the speech, the other members can easily take their place.

6. Work Together For A Question And Answer Session 

Q & A sessions are a common element in most presentations. They might seem daunting to an individual speaker, however, a group setting makes the session much easier. This is because an individual speaker doesn’t have to know everything about the topic.

The presentation moderator can simply refer to the speaker who is the most well-versed about the topic or is best able to answer the question from the group, and they can answer it. 

Creative Ideas To Make Use Of Multiple Presenters!

There are many ways by which you can use the fact that there’s not just one single presentator but many to your advantage. A few of them are: 

1. Add A Dose Of Fun With Skits! 

Adding a dose of creativity to your presentation will greatly enhance its appeal to the audience, and make it more likely that they will remember your presentation in the future! 

One way of doing this is by having a short skirt in the opening. This is another great way of introducing the members, and of warming up the audience to them.

A fun skit can not only expand on the topic you’re about to present but will also elevate the audience’s mood, which will improve their attention span as well as their opinion of you! What else could you ask for?

2. Make Them Engage With Cosplay! 

Cosplay is another great way of making your presentation stand apart! This can make the presentation more interactive for the audience, as well, and earn you that sought-after dose of chuckling.

It’s not necessary to buy the most expensive costumes or be perfect in your cosplay, either. You can pick an outfit that’s easy to drape over your other outfit, and pick props that are easy to carry as well as versatile so that you can use them in other parts of your presentation as well. 

3. Write & Sing A Song Together!

Listen, you don’t have to be a professional singer or composer to do this. You’re not trying to sell a studio album. All you need is a little dose of creativity and some brainstorming, and you can write a song that helps you explain a component of your speech better.

You could even summarize the entire topic in that song, and sing it in the end as a sort of post-credits scene (thank you, Marvel). Alternatively, the song doesn’t necessarily have to explain your speech, but can simply be a surprise element after you’re done with the main part of your speech! 

4. Record A Short Film!

If you don’t want to have a live skit, another creative way to add fun to your skit is by recording a short film beforehand and playing it during your presentation. The film doesn’t have to be very long–even a few minutes work.

What matters is the content of the film, and how well-made it is. If not all members wish to act or record themselves, the ones that are not up for it can do the editing and compilation, or even write the script! After all, it’s not just actors that make a film successful: a strong director and writer are just as important! 

5. Have A Continuous Story 

Another great way to make the presentation seem more connected and seamless is by incorporating a continuous story. You can pick a story–or even make one up–related to your topic and break it up in sections.

Then, assign a section to each speaker. This will not only make the presentation more intriguing but if done right will also hook your audience’s attention and make them anticipate what comes next. Awesome, right?

Q. how do i begin a group presentation.

To begin a group presentation, have the moderator or any other group member introduce all other members and the topic that they’ll be speaking on. This might seem like a redundancy, however it is anything but useless.

This gives the chance to the audience to become familiar with the speakers, which is necessary if you want them to grow comfortable with you. Also, prior introduction of members saves the audience’s time, as each speaker will not have to re-introduce themself before driving into their topic. 

If each member wishes to individually introduce themselves, then that can be done too. However, make sure that you’ve practiced transitioning between members smoothly, so as to avoid making the switch look awkward.

Next, share a brief summary of what you’re going to be talking about. Like the introduction, you could even split the summary among yourselves, with each speaker describing briefly what they’re going to be talking about. Tell the audience why it’s relevant, and how you’re planning to go about giving the speech. Incorporating attention-grabbing statements is another good idea.

This could be a sneak peek into what’s going to be coming in your presentation, or simply a relevant statement, fact or statistic. Make sure the introduction doesn’t last too long, as you want to keep the audience fresh and primed for the main content of your speech.

Q. HOW DO I TRANSITION BETWEEN DIFFERENT SPEAKERS?

As mentioned before, having a smooth transition between speakers in the group is imperative to provide the audience with a seamless experience. The abrupt way of doing this would be to simply have the first speaker stop and for the other speaker to begin speaking.

However, a better way to transition would be by using transitional phrases. Pass the baton to the next speaker by introducing them. You could do this by saying something like, “To talk about the next topic we have…” Or something like, “Now I would like to invite…” 

After verbally introducing them, it’s also a good idea to motion towards or look towards the new speaker. Also, if you’re the next speaker, it’s always good manners to thank the previous one. 

Transitioning is one place where many presentations go wrong. Practicing the transition might seem redundant, but it’s anything but that. In fact, it’s as necessary as the practice of the other elements of your speech. Also, make sure to incorporate both, verbal and non-verbal cues while moving to the next speaker. That is, don’t just say that ‘A’ is going to be speaking now and then walk away.

Make eye contact with the speaker, motion for them towards the podium, or smile at them. That is, both speakers should acknowledge the presence of each other.

Make sure to practice this beforehand too. If you want, you could also have the moderator do the transitioning and introduce all speakers. However, make sure that your transitions are brief, as you don’t want to take up too much time from the main presentation.

Q. HOW DO I END A GROUP PRESENTATION? 

For the ending of the presentation, have the moderator or any other group member step forward again. They can provide a quick summary of the presentation, before thanking the audience and asking them if they have any questions.

The moderator doesn’t have to answer all the questions by themselves: the members can pitch in to answer the question that relates to their individual part. If there’s another group presenting after you, the moderator can conclude by verbally introducing them or saying that the next group will take over now. 

During the end, you could have all the presenters on the stage together, as this will provide a united front to your audience. If you don’t wish to finish the presentation with a Q & A, you could also end it by a call to action.

Or, you could loop back and make a reference to the opening of your presentation, or the main part of your speech. If you’d set up a question at the beginning, now would be a good time to answer it. This will increase the impact of your speech.

Make sure that the closing words aren’t vague. The audience should know it’s the end of the presentation, and not like you’re keeping them hanging for something more. Make sure to thank and acknowledge your audience, and any other speakers or dignitaries present. Lastly, just like the opening and the transitioning, practice the ending before you step onto the stage!

Q. HOW DO I INTRODUCE THE NEXT SPEAKER IN A GROUP PRESENTATION? 

There are many ways by which you can introduce the next speaker in the presentation. For starters, you could wrap up your presentation by simply summarizing what you said (make sure it’s a brief summary) and then saying the other speaker will take over from this point.

Or, you could finish with your topic and then give a brief introduction of the next speaker and what they’re going to be talking about. The introduction can be simply the name of the speaker, or you could also provide a brief description of them and their achievements if any.

To lighten the mood, you could even add a fun fact about the speaker in your introduction–this is, of course, provided that you’re both comfortable with it. You could also ask for a round of applause to welcome them onto the stage.

However you choose to approach the transition, make sure that your introduction is short, and not more than two minutes at the maximum. Remember that it’s the next speaker’s turn to speak–not yours. If you’re the incoming speaker, make sure to thank the speaker who introduced you. You could also respond to their description or fun fact about you. A smile doesn’t hurt, either!

Capturing an audience’s attention takes practice. 

Over time, great presenters learn how to organize their speeches and captivate an audience from start to finish. They spark curiosity, know how to read a room , and understand what their audience needs to walk away feeling like they learned something valuable.

Regardless of your profession, you most likely use presentation skills on a monthly or even weekly basis. Maybe you lead brainstorming sessions or host client calls. 

Developing effective presentation skills makes it easier to contribute ideas with confidence and show others you’re someone to trust. Although speaking in front of a crowd sometimes brings nerves and anxiety , it also sparks new opportunities.

Presentation skills are the qualities and abilities you need to communicate ideas effectively and deliver a compelling speech. They influence how you structure a presentation and how an audience receives it. Understanding body language , creating impactful visual aids, and projecting your voice all fall under this umbrella.

A great presentation depends on more than what you say. It’s about how you say it. Storytelling , stage presence, and voice projection all shape how well you express your ideas and connect with the audience. These skills do take practice, but they’re worth developing — especially if public speaking makes you nervous. 

Engaging a crowd isn’t easy. You may feel anxious to step in front of an audience and have all eyes and ears on you.

But feeling that anxiety doesn’t mean your ideas aren’t worth sharing. Whether you’re giving an inspiring speech or delivering a monthly recap at work, your audience is there to listen to you. Harness that nervous energy and turn it into progress.

Strong presentation skills make it easier to convey your thoughts to audiences of all sizes. They can help you tell a compelling story, convince people of a pitch , or teach a group something entirely new to them. And when it comes to the workplace, the strength of your presentation skills could play a part in getting a promotion or contributing to a new initiative.

To fully understand the impact these skills have on creating a successful presentation, it’s helpful to look at each one individually. Here are six valuable skills you can develop:

1. Active listening

Active listening is an excellent communication skill for any professional to hone. When you have strong active listening skills, you can listen to others effectively and observe their nonverbal cues . This helps you assess whether or not your audience members are engaged in and understand what you’re sharing. 

Great public speakers use active listening to assess the audience’s reactions and adjust their speech if they find it lacks impact. Signs like slouching, negative facial expressions, and roaming eye contact are all signs to watch out for when giving a presentation.

2. Body language

If you’re researching presentation skills, chances are you’ve already watched a few notable speeches like TED Talks or industry seminars. And one thing you probably noticed is that speakers can capture attention with their body language. 

A mixture of eye contact, hand gestures , and purposeful pacing makes a presentation more interesting and engaging. If you stand in one spot and don’t move your body, the audience might zone out.

3. Stage presence

A great stage presence looks different for everyone. A comedian might aim for more movement and excitement, and a conference speaker might focus their energy on the content of their speech. Although neither is better than the other, both understand their strengths and their audience’s needs. 

Developing a stage presence involves finding your own unique communication style . Lean into your strengths, whether that’s adding an injection of humor or asking questions to make it interactive . To give a great presentation, you might even incorporate relevant props or presentation slides.

4. Storytelling

According to Forbes, audiences typically pay attention for about 10 minutes before tuning out . But you can lengthen their attention span by offering a presentation that interests them for longer. Include a narrative they’ll want to listen to, and tell a story as you go along. 

Shaping your content to follow a clear narrative can spark your audience’s curiosity and entice them to pay careful attention. You can use anecdotes from your personal or professional life that take your audience along through relevant moments. If you’re pitching a product, you can start with a problem and lead your audience through the stages of how your product provides a solution.

5. Voice projection

Although this skill may be obvious, you need your audience to hear what you’re saying. This can be challenging if you’re naturally soft-spoken and struggle to project your voice.

Remember to straighten your posture and take deep breaths before speaking, which will help you speak louder and fill the room. If you’re talking into a microphone or participating in a virtual meeting, you can use your regular conversational voice, but you still want to sound confident and self-assured with a strong tone.

If you’re unsure whether everyone can hear you, you can always ask the audience at the beginning of your speech and wait for confirmation. That way, they won’t have to potentially interrupt you later.

Ensuring everyone can hear you also includes your speed and annunciation. It’s easy to speak quickly when nervous, but try to slow down and pronounce every word. Mumbling can make your presentation difficult to understand and pay attention to.

6. Verbal communication 

Although verbal communication involves your projection and tone, it also covers the language and pacing you use to get your point across. This includes where you choose to place pauses in your speech or the tone you use to emphasize important ideas.

If you’re giving a presentation on collaboration in the workplace , you might start your speech by saying, “There’s something every workplace needs to succeed: teamwork.” By placing emphasis on the word “ teamwork ,” you give your audience a hint on what ideas will follow.

To further connect with your audience through diction, pay careful attention to who you’re speaking to. The way you talk to your colleagues might be different from how you speak to a group of superiors, even if you’re discussing the same subject. You might use more humor and a conversational tone for the former and more serious, formal diction for the latter.

Everyone has strengths and weaknesses when it comes to presenting. Maybe you’re confident in your use of body language, but your voice projection needs work. Maybe you’re a great storyteller in small group settings, but need to work on your stage presence in front of larger crowds. 

The first step to improving presentation skills is pinpointing your gaps and determining which qualities to build upon first. Here are four tips for enhancing your presentation skills:

1. Build self-confidence

Confident people know how to speak with authority and share their ideas. Although feeling good about your presentation skills is easier said than done, building confidence is key to helping your audience believe in what you’re saying. Try practicing positive self-talk and continuously researching your topic's ins and outs.

If you don’t feel confident on the inside, fake it until you make it. Stand up straight, project your voice, and try your best to appear engaged and excited. Chances are, the audience doesn’t know you’re unsure of your skills — and they don’t need to.

Another tip is to lean into your slideshow, if you’re using one. Create something colorful and interesting so the audience’s eyes fall there instead of on you. And when you feel proud of your slideshow, you’ll be more eager to share it with others, bringing more energy to your presentation.

2. Watch other presentations

Developing the soft skills necessary for a good presentation can be challenging without seeing them in action. Watch as many as possible to become more familiar with public speaking skills and what makes a great presentation. You could attend events with keynote speakers or view past speeches on similar topics online.

Take a close look at how those presenters use verbal communication and body language to engage their audiences. Grab a notebook and jot down what you enjoyed and your main takeaways. Try to recall the techniques they used to emphasize their main points, whether they used pauses effectively, had interesting visual aids, or told a fascinating story.

3. Get in front of a crowd

You don’t need a large auditorium to practice public speaking. There are dozens of other ways to feel confident and develop good presentation skills.

If you’re a natural comedian, consider joining a small stand-up comedy club. If you’re an avid writer, participate in a public poetry reading. Even music and acting can help you feel more comfortable in front of a crowd.

If you’d rather keep it professional, you can still work on your presentation skills in the office. Try grounding yourself to shift your focus to the present moment. If you’re stuck dwelling on previous experiences that didn’t go well, use those mistakes as learning experiences and focus on what you can improve to do better in the future.

Tips for dealing with presentation anxiety 

It’s normal to feel nervous when sharing your ideas. In fact, according to a report from the Journal of Graduate Medical Education, public speaking anxiety is prevalent in 15–30% of the general population .

Even though having a fear of public speaking is common, it doesn’t make it easier. You might feel overwhelmed, become stiff, and forget what you were going to say. But although the moment might scare you, there are ways to overcome the fear and put mind over matter.

Use these tactics to reduce your stress when you have to make a presentation:

1. Practice breathing techniques

If you experience anxiety often, you’re probably familiar with breathing techniques for stress relief . Incorporating these exercises into your daily routine can help you stop worrying and regulate anxious feelings. 

Before a big presentation, take a moment alone to practice breathing techniques, ground yourself, and reduce tension. It’s also a good idea to take breaths throughout the presentation to speak slower and calm yourself down .

2. Get organized

The more organized you are, the more prepared you’ll feel. Carefully outline all of the critical information you want to use in your presentation, including your main talking points and visual aids, so you don’t forget anything. Use bullet points and visuals on each slide to remind you of what you want to talk about, and create handheld notes to help you stay on track.

3. Embrace moments of silence

It’s okay to lose your train of thought. It happens to even the most experienced public speakers once in a while. If your mind goes blank, don’t panic. Take a moment to breathe, gather your thoughts, and refer to your notes to see where you left off. You can drink some water or make a quick joke to ease the silence or regain your footing. And it’s okay to say, “Give me a moment while I find my notes.” Chances are, people understand the position you’re in.

4. Practice makes progress

Before presenting, rehearse in front of friends and family members you trust. This gives you the chance to work out any weak spots in your speech and become comfortable communicating out loud. If you want to go the extra mile, ask your makeshift audience to ask a surprise question. This tests your on-the-spot thinking and will prove that you can keep cool when things come up.

Presentation Skills

Presenting information clearly and effectively is a key skill in getting your message across. Today, presentation skills are required in almost every field, and most of us are required to give presentations on occasions. While some people take this in their stride, others find it much more challenging.

It is, however, possible to improve your presentation skills with a bit of work. This section of SkillsYouNeed is designed to help.

Many people feel terrified when asked to talk in public, especially to bigger groups. However, these fears can be reduced by good preparation, which will also lay the groundwork for making an effective presentation.

There are Different Types of Presentations, but They’re All Presentations

There are any number of occasions when you may be asked to speak in public or to a group of people. They include:

  • Presenting or making a speech at a conference or event.
  • Objecting to a planning proposal at a council meeting.
  • Making a speech at a wedding.
  • Proposing a vote of thanks to someone at a club or society.
  • On behalf of a team, saying goodbye and presenting a gift to a colleague who is leaving.
  • Seeking investment or a loan to help you set up a new business.

These can all be considered presentations.

They do not, however, all require the same approach. You would not, for example, use PowerPoint to thank a colleague who was leaving. It would be unusual (though it has been done) to use it in a speech at a wedding. However, a conference audience would be somewhat surprised NOT to see slides projected onto a screen.

It follows, therefore, that there is no single set of rules that apply to all presentations. There are, however, some things that every presentation opportunity has in common. These include:

You will present better if you have prepared effectively . This does NOT necessarily mean that you have written out your speech verbatim and rehearsed it until you know it off by heart—although that might work for some people. It does, however, mean that you have to be confident that you are saying the right thing, in the right way, to the right people.

You need to be clear about your audience and your message . Every presentation will be better if you have clearly considered the message that you want or need to convey, and how best to convey it to your audience. These two pieces of information drive your style, structure, content, and use of visual aids.

You must never overrun your allocated time .  In other words, don’t outstay your welcome. Almost every speech or presentation is better if it is shorter. Nobody minds going for coffee early or finishing before they expected to do so. Everybody minds being held up.

Generally speaking, your audience starts on your side. As a rule, your audience is there (more or less) voluntarily. They have chosen to listen to you, and they want to enjoy your presentation. The occasion is yours to lose.

An Important Point

There is one very important point to remember: if what you’re doing or saying is not working, do something else.

One of the worst feelings as a presenter is that you have lost your audience. You know that’s happened, but you continue to stumble through your remaining PowerPoint slides for the next 15 minutes, as your audience checks their phones and wishes it was coffee time. You think you have no choice, but that’s not actually true.

When you present, you are in charge of the room . The audience has effectively handed you control and is sitting back waiting for you to do something. You may have prepared a specific talk, but if you see that isn’t working, you can always change it. You are, after all, the expert.

You can, for example:

  • Skip through some slides to a section that they may find more interesting;
  • Ask your audience whether there is particular information that they were expecting that you are not providing;
  • Suggest that everyone looks a bit sleepy, and maybe it would be better to start questions early, or have a discussion; or
  • Ask the audience at the start of the presentation what they are expecting and what they want you to cover. That way, you can tailor the presentation to fit their expectations.

Just as when you are facilitating, you want to help your audience get the most out of your presentation. The best way to do that is to accept feedback—which may include smiles, nods of interest, or people getting their phones out.

Preparing for Your Presentation

The guide starts by explaining What is a Presentation?

We define a presentation as a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team. Effective presentations usually require careful thought and preparation—although this preparation need not take very long.

Preparation is the most important part of making a successful presentation.  Our page on Preparing For A Presentation explains what information you need before you can really start to plan your presentation and decide what you are going to say. The most important aspects include the objective of the presentation, the subject, and the audience.

Irrespective of whether the occasion is formal or informal, you should always aim to give a clear, well-structured delivery. To do so, you need to organise your presentation material . You can either do this in your head, or use a technique like mind-mapping to help you identify links and good flow.

By the time you come to write your presentation , you should know exactly what you want to say and the order in which you want to say it. You may want to use one of the standard presentation structures, such as ‘What, Why, How?’. You will also find it helpful to consider how to tell your story most effectively, and to use stories in your presentation to illustrate points. You also need to decide on your presentation method . Presentations range from the formal to the informal. Your choice of presentation method will depend on many factors, including the audience, the venue, the facilities, and your own preferences.

Visual aids can add another dimension to your presentation, helping to hold your audience’s attention, and also act as a reminder of what you wanted to say. However, they need handling with care. Only use visual aids if they are necessary to maintain interest and assist comprehension . If visual aids are not used well, they can ruin a presentation.

A particular case of visual aids is the use of data in a presentation.

There are times when using data in a presentation can really help you to tell the story better. It is, however, important not to blind your audience with statistics. You also need to remember that many people find numbers difficult to understand. Our page on Presenting Data gives some hints and tips about using data effectively in a presentation situation.

On the Day of the Presentation

There are a number of aspects to delivering your presentation on the day.

The practicalities of how you manage your presentation can make a significant difference to its success, and to your nerves! For example, turning up early means that you have will have a chance to see the room, and ensure that you can operate all the necessary equipment. Many people also feel very nervous before and during a presentation. This is entirely normal, and can even be helpful if you can channel it in the right way. There are some tried and tested strategies and techniques to manage your nerves so that you can concentrate on delivering an effective and engaging presentation.

How you present yourself can also affect how your audience responds to your presentation.

You need to fit with your audience's expectations if they are not going to spend quite a large chunk of your presentation dealing with the differences between expectations and reality.

You also need to consider how to manage your presentation notes .

Few people are able to give a presentation without notes. You will need to know your own abilities and decide how best to make the presentation. You might manage your talk by using full text, notes on cue cards, keywords on cue cards, or mind maps. There is more about this in our page on Managing your Presentation Notes .

After the presentation, you may be faced with a question-and-answer session. For many people, this is the worst part of the event.

Decide in advance how and when you wish to handle questions. Some speakers prefer questions to be raised as they arise during the presentation whilst others prefer to deal with questions at the end. At the start of your presentation, you should make clear your preferences to the audience. See our page on Dealing with Questions for more ideas about how to make the question session pleasant and productive, rather than something to dread.

Presenting Under Particular Circumstances

You may find that you need to give a presentation under certain circumstances, where your previous experience is less helpful.

Circumstances that may be new to you include:

  • Giving a Speech , for example, at a wedding.

One particular special case is attending public consultation meetings.

You may also find yourself required to organise or manage a press conference.

Guide for Giving a Group Presentation

In certain academic and business situations, it is more valuable to deliver a group presentation than a solo one. Many people prefer group presentations because there is less pressure on the individual. However there are also unique challenges, such as having to ensure multiple individuals collaborate in order to produce a cohesive piece of work.

Preparing for the group presentation

As with any presentation, there is a significant amount of work during the preparation stage. The group must be well organised because there are multiple individuals, and therefore multiple personalities involved.

Presentation moderator

To assist with organisation, the group should first decide on a presentation moderator – this is essentially the “leader”. The presentation moderator can have the final say when decision-making is needed and, during the Q&A portion of the presentation, can decide which speakers will answer certain questions.

Understanding the audience

To make your presentation engaging you need to  think about the audience  so you can tailor it towards their needs. How much will the audience already know about this topic? What will they want to get from this presentation?

For example, if you are presenting the topic of building a bridge to a group of civil engineers, you can confidently use technical language. However, if you are presenting to secondary school students, you would need to use simpler language and not explain the methods in as much detail.

The presentation’s purpose

As a group, ensure you agree on the purpose of the presentation so that you all understand the message that needs to be conveyed e.g. “We want to find out which treatment works best for social anxiety.” Deciding on your message means that the group can start building key points around this – just keep in mind that each subtopic must contribute to the presentation’s aim.

Divide the presentation

The presentation needs to be  divided into main areas  so there is a clear beginning, middle and end. This is where can you decide on the order of the subtopics. Presentations usually follow this structure:

1. Introduction:

  • It is useful to agree on the first minute of the presentation as a team. This is because the audience should be interested from the start and convinced to listen.
  • The presentation’s aims are also discussed and an overview of the presentation’s structure is provided. For example, “We set out to explore the effectiveness of different treatments for social anxiety. We will first cover the symptoms and prevalence of social anxiety, before explaining the different treatments. This will then lead into a discussion about the pros and cons of each treatment route. Finally, we will explain which treatment route we decided was the most effective for this disorder.”

2. One or two middle sections:

  • These sections consist of providing the information that addresses your presentation’s aim.
  • There can be more of these sections depending on your topic.

3. Conclusion:

  • After summarising all of the key points, there must be a clear conclusion. It is beneficial to appoint the conclusion to the best speaker as this is where all the information is pooled together.

After segmenting the presentation, a time sequence can be created so the group understands the order in which tasks must be completed. It is important to set deadlines for this.

Share responsibility

A frequent problem when working within a group is unequal participation as this can subsequently cause disharmony.

But this is easily avoidable by assigning each speaker a section of the presentation to work on depending on their interests. This means that each speaker should be doing the research for their section and putting together a speech and slides (if being used).

  • It is important to specify exactly what each group member should be doing with their time.
  • Make sure the length of time per speaker is agreed on.
  • Do not change speakers more than necessary because this can reduce the coherency of the presentation.

Build the presentation together

For an audience to follow and enjoy a presentation, it must flow together. Meeting up and building the presentation helps with this because:

  • This prevents the duplication of content.
  • You can put the slides together, although only one individual should be responsible for merging the slides so there is consistency within the presentation.
  • It is useful to receive feedback on the speeches before presenting to an audience.
  • The team can agree on any edits.
  • The team can agree on the conclusion.
  • You can make sure that each speaker will talk for the same amount of time and cover a similar amount of information.
  • The team can come up with the first minute of the presentation together.

Use stories to engage the audience

A good presentation opening could  start with a story  to highlight why your topic is significant. For example, if the topic is on the benefits of pets on physical and psychological health, you could present a story or a study about an individual whose quality of life significantly improved after being given a dog.

The audience is more likely to remember this story than a list of facts and statistics so try and incorporate relevant stories into presentations.

Know what each speaker will say

Each speaker must know what the other group members will say as this prevents repetition and it may be useful to refer to a previous speaker to assist in explaining your own section.

Also, if a team member is unable to attend on the day it will be easier to find cover within the group.

Write and practice transitions

Clean transitioning between speakers can also assist in producing a presentation that flows well. One way of doing this is:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what social anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Sarah will talk about the prevalence of social anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Sarah”.
  • The next speaker should acknowledge this with a quick: “Thank you Nick.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Practice the presentation

Rehearse with the group multiple times to make sure:

  • The structure works
  • Everyone is sticking to their timing.
  • To see if any edits are needed.

The more you  rehearse a presentation  the more you will feel comfortable presenting the material and answering questions as your familiarity with the content increases.

Handling nerves before the presentation

It is  natural to feel nervous  when presenting in front of others, regardless of the size of the audience. Here are some tips:

  • Remind yourself that the audience is there to listen to you and wants you to do well; there is no need to be afraid of them.
  • Remember that the audience members will have to present their projects later and are almost certainly feeling just as nervous.
  • Practicing with your group and practicing your section at home will make you more comfortable and familiar with the material and increase your confidence.
  • Practice pauses  – when people feel nervous they tend to find silences uncomfortable and try to fill gaps, such as using “um” multiple times (filler words). Practicing pauses will help the silences feel less unnatural when you present therefore reducing the need for filler words.
  • When we are nervous we often begin breathing quickly and this in turn can increase our anxiety. Controlled breathing is a common technique that helps slow down your breathing to normal thus reducing your anxiety.

Exercises to control your breathing:

  • Sit down in an upright position as it easier for your lungs to fill with air
  • Breathe in through your nose and into your abdomen for four seconds
  • Hold this breathe for two seconds
  • Breathe out through your nose for six seconds
  • Wait a few seconds before inhaling and repeating the cycle

During the group presentation

Introducing the team.

The presentation should begin with the presentation moderator introducing the team. This is smoother than each individual presenting themselves.

Pay attention to the presentation

You may feel nervous as you wait for your turn to speak but try to listen to the presentation. The audience is able to see the whole team so it is important that you look interested in what is being said and react to it, even if you have heard it multiple times.

Body language and eye contact

Body language is a useful tool to engage the audience:

  • If it is your turn to speak then stand slightly in the foreground of the rest of your group.
  • Smile at the audience as this will make you look more confident.
  • Make eye contact  as this helps you engage with the audience.
  • Keep your arms uncrossed so your body language is more open.
  • Do not look down and read from your notes- glancing down occasionally is fine but keep in mind that you are talking to the audience.
  • This is the same for  presenting visual aids ; you may need to glance at the computer slide but make sure you predominantly face the audience as you are still speaking to them.
  • Keep your hands at your sides but use them occasionally to gesture.

Vocal variety

How you say something is just as is important as the content of your speech –  arguably, more so . For example, if an individual presented on a topic very enthusiastically the audience would probably enjoy this compared to someone who covered more points but mumbled into their notes.

Here are some pointers:

  • Adapt your voice depending on what are you saying- if you want to highlight something then raise your voice or lower your voice for intensity.
  • Avoid speaking in monotone.
  • Sound enthusiastic – the more you sound like you care about the topic, the more the audience will listen.
  • Speak loudly and clearly.
  • If you notice that you are speaking quickly, pause and slow down.
  • Warm up your voice  before a speech

Breath deeply for vocal variety

Take short pauses and breath deeply. This will ensure you have more vocal variety.

Handling nerves during the presentation

  • If you find that you are too uncomfortable to give audience members direct eye contact, a helpful technique is to look directly over the heads of the audience as this gives the impression of eye contact.
  • Try not to engage in nervous behaviours e.g. shifting your weight or fidgeting.
  • Remember that it’s unlikely that the audience knows that you are feeling nervous – you do not look as anxious as you feel.
  • Notice whether you are speaking too quickly as this tends to happen when nervousness increases. If you are, pause and then slow down.

Strong conclusion

Since the conclusion is the last section of your presentation the audience is more likely to remember it. Summarise the key points and lead into a clear concluding statement. For example, if your presentation was on the impact of social media on self-esteem you could list all the main points covered in the presentation and conclude “Therefore, from the amount of evidence and also from the quality of evidence, we have decided that social media is negatively/positively impacting self-esteem.”

Questions and answer session

The questions and answers session after the main presentation can be a source of anxiety as it is often difficult to predict what questions will be asked. But working within a group setting means that individually you do not have to know everything about the topic.

When an  audience member asks a question , the presentation moderator can refer a speaker who has the relevant knowledge to provide an answer. This avoids any hesitant pauses.

If you are answering group presentation questions:

  • Pause before answering- take the time to gather your thoughts and think about your answer
  • Make sure you answer the question- sometimes you may start providing more information than necessary. Keeping answers as concise as possible will help with this.
  • Ask the questioner for clarification if you do not understand- it’s better to ask rather than answering in a way that does not address the question.
  • You’re not expected to know everything- challenging questions will emerge and if you do not know the answer you can respond with: “That’s a really good question, I’m not certain so let me look into that.”

Ending the presentation

A good ending usually consists of the presentation moderator thanking the audience. If there is another group afterwards they should transition to the next group.

Powerful and Effective Presentation Skills: More in Demand Now Than Ever

When we talk with our L&D colleagues from around the globe, we often hear that presentation skills training is one of the top opportunities they’re looking to provide their learners. And this holds true whether their learners are individual contributors, people managers, or senior leaders. This is not surprising.

Effective communications skills are a powerful career activator, and most of us are called upon to communicate in some type of formal presentation mode at some point along the way.

For instance, you might be asked to brief management on market research results, walk your team through a new process, lay out the new budget, or explain a new product to a client or prospect. Or you may want to build support for a new idea, bring a new employee into the fold, or even just present your achievements to your manager during your performance review.

And now, with so many employees working from home or in hybrid mode, and business travel in decline, there’s a growing need to find new ways to make effective presentations when the audience may be fully virtual or a combination of in person and remote attendees.

Whether you’re making a standup presentation to a large live audience, or a sit-down one-on-one, whether you’re delivering your presentation face to face or virtually, solid presentation skills matter.

Even the most seasoned and accomplished presenters may need to fine-tune or update their skills. Expectations have changed over the last decade or so. Yesterday’s PowerPoint which primarily relied on bulleted points, broken up by the occasional clip-art image, won’t cut it with today’s audience.

The digital revolution has revolutionized the way people want to receive information. People expect presentations that are more visually interesting. They expect to see data, metrics that support assertions. And now, with so many previously in-person meetings occurring virtually, there’s an entirely new level of technical preparedness required.

The leadership development tools and the individual learning opportunities you’re providing should include presentation skills training that covers both the evergreen fundamentals and the up-to-date capabilities that can make or break a presentation.

So, just what should be included in solid presentation skills training? Here’s what I think.

The fundamentals will always apply When it comes to making a powerful and effective presentation, the fundamentals will always apply. You need to understand your objective. Is it strictly to convey information, so that your audience’s knowledge is increased? Is it to persuade your audience to take some action? Is it to convince people to support your idea? Once you understand what your objective is, you need to define your central message. There may be a lot of things you want to share with your audience during your presentation, but find – and stick with – the core, the most important point you want them to walk away with. And make sure that your message is clear and compelling.

You also need to tailor your presentation to your audience. Who are they and what might they be expecting? Say you’re giving a product pitch to a client. A technical team may be interested in a lot of nitty-gritty product detail. The business side will no doubt be more interested in what returns they can expect on their investment.

Another consideration is the setting: is this a formal presentation to a large audience with questions reserved for the end, or a presentation in a smaller setting where there’s the possibility for conversation throughout? Is your presentation virtual or in-person? To be delivered individually or as a group? What time of the day will you be speaking? Will there be others speaking before you and might that impact how your message will be received?

Once these fundamentals are established, you’re in building mode. What are the specific points you want to share that will help you best meet your objective and get across your core message? Now figure out how to convey those points in the clearest, most straightforward, and succinct way. This doesn’t mean that your presentation has to be a series of clipped bullet points. No one wants to sit through a presentation in which the presenter reads through what’s on the slide. You can get your points across using stories, fact, diagrams, videos, props, and other types of media.

Visual design matters While you don’t want to clutter up your presentation with too many visual elements that don’t serve your objective and can be distracting, using a variety of visual formats to convey your core message will make your presentation more memorable than slides filled with text. A couple of tips: avoid images that are cliched and overdone. Be careful not to mix up too many different types of images. If you’re using photos, stick with photos. If you’re using drawn images, keep the style consistent. When data are presented, stay consistent with colors and fonts from one type of chart to the next. Keep things clear and simple, using data to support key points without overwhelming your audience with too much information. And don’t assume that your audience is composed of statisticians (unless, of course, it is).

When presenting qualitative data, brief videos provide a way to engage your audience and create emotional connection and impact. Word clouds are another way to get qualitative data across.

Practice makes perfect You’ve pulled together a perfect presentation. But it likely won’t be perfect unless it’s well delivered. So don’t forget to practice your presentation ahead of time. Pro tip: record yourself as you practice out loud. This will force you to think through what you’re going to say for each element of your presentation. And watching your recording will help you identify your mistakes—such as fidgeting, using too many fillers (such as “umm,” or “like”), or speaking too fast.

A key element of your preparation should involve anticipating any technical difficulties. If you’ve embedded videos, make sure they work. If you’re presenting virtually, make sure that the lighting is good, and that your speaker and camera are working. Whether presenting in person or virtually, get there early enough to work out any technical glitches before your presentation is scheduled to begin. Few things are a bigger audience turn-off than sitting there watching the presenter struggle with the delivery mechanisms!

Finally, be kind to yourself. Despite thorough preparation and practice, sometimes, things go wrong, and you need to recover in the moment, adapt, and carry on. It’s unlikely that you’ll have caused any lasting damage and the important thing is to learn from your experience, so your next presentation is stronger.

16 Presenting as a Group

Imagine you have been assigned to a group for a project requiring a presentation at the end. “Now is the busiest time in my schedule and I do not have time to fit all these people into it,” the voice in your head reminds you. Then you ask the question: “Is there ever a non-busy time for assembling a group together for a presentation ?” These thoughts are a part of a group presentation assignment. The combined expertise of several individuals is becoming increasingly necessary in many vocational (related to a specific occupation) and avocational (outside a specific occupation) presentations.

Group presentations in business may range from a business team exchanging sales data; research and development teams discussing business expansion ideas; to annual report presentations by boards of directors. Also, the government, private, and public sectors have many committees that participate in briefings, conference presentations, and other formal presentations. It is common for group presentations to be requested, created, and delivered to bring together the expertise of several people in one presentation. Thus, the task of deciding the most valuable information for audience members has become a coordination task involving several individuals. All group members are responsible for coordinating things such as themes, strong support/evidence, and different personalities and approaches in a specified time period. Coordination is defined in the dictionary as harmonious combination or interaction, as of functions or parts.

This chapter focuses on how the group, the speech assignment, the audience, and the presentation design play a role in the harmonious combination of planning, organization, and delivery for group presentations.

Preparing All Parts of the Assignment

In group presentations, you are working to coordinate one or two outcomes—outcomes related to the content (product outcomes) and/or outcomes related to the group skills and participation (process outcomes). Therefore, it is important to carefully review and outline the prescribed assignment of the group before you get large quantities of data, spreadsheets, interview notes, and other research materials.

Types of Group Presentations

A key component of a preparation plan is the type of group presentation. Not all group presentations require a format of standing in front of an audience and presenting. According to Sprague and Stuart (2005), there are four common types of group presentations:

  • A structured argument in which participants speak for or against a pre-announced proposition is called a debate . The proposition is worded so that one side has the burden of proof, and that same side has the benefit of speaking first and last. Speakers assume an advocacy role and attempt to persuade the audience, not each other.
  • The forum is essentially a question-and-answer session. One or more experts may be questioned by a panel of other experts, journalists, and/or the audience.
  • A panel consists of a group of experts publicly discussing a topic among themselves. Individually prepared speeches, if any, are limited to very brief opening statements.
  • Finally, the symposium is a series of short speeches, usually informative, on various aspects of the same general topic. Audience questions often follow (p. 318).

These four types of presentations, along with the traditional group presentation in front of an audience or on-the-job speaking, typically have pre-assigned parameters. Therefore, all group members must be clear about the assignment request.

Establishing Clear Objectives

For the group to accurately summarize for themselves who is the audience, what is the situation/occasion, and what supporting materials need to be located and selected, the group should establish clear objectives about both the process and the product being assessed.

Assessment plays a central role in optimizing the quality of group interaction. Thus, it is important to be clear whether the group is being assessed on the product(s) or outcome(s) only or will the processes within the group—such as equity of contribution, individual interaction with group members, and meeting deadlines—also be assessed. Kowitz and Knutson (1980) argue that three dimensions for group evaluation include (1) informational —dealing with the group’s designated tasks; (2) procedural —referring to how the group coordinates its activities and communication; and (3) interpersonal —focusing on the relationships that exist among members while the task is being accomplished. Groups without a pre-assigned assessment rubric may use the three dimensions to effectively create a group evaluation instrument.

The group should determine if the product includes both a written document and an oral presentation. The written document and oral presentation format may have been pre-assigned with an expectation behind the requested informative and/or persuasive content. Although the two should complement each other, the audience, message, and format for each should be clearly outlined. The group may create a product assessment guide (see Table 1) . Additionally, each group member should uniformly write down the purpose of the assignment. You may think you can keep the purpose in your head without any problem. Yet the goal is for each member to consistently have the same outcome in front of them. This will bring your research, writing, and thinking back to focus after engaging in a variety of resources or conversations.

Once the assignment has been coordinated in terms of the product and process objectives, type of presentation, and logistics, it is important for the group to clearly write down the agreed outcomes. Agreed outcomes about the product include a purpose statemen t that reflects an agreement with the prescribed assignment (i.e. “at the end of our group presentation the audience will be informed or persuaded about the prescribed assignment”). It also includes the key message or thesis to be developed through a presentation outline , a full-sentence outline of virtually everything the speaker intends to say. The outline allows the speakers to test the structure, the logic, and persuasive appeals in the speech (DiSanza & Legge, 2011, p. 131).

Logistics for Group Members

As a group, be very clear about the length of your presentation and its preparation. The length of the presentation refers to your time limit, and whether there is a question and answer period involved. Assignment preparation may or may not have a prescribed deadline. If the assignment does not have a deadline, then set one as a group. If there is a deadline, then the group begins by creating a schedule from the final deadline. As a group, create an action timetable explicitly listing all processes and outputs, as well as communication update points.

As a group, decide the best way to leave enough time in the end to put all the pieces together and make sure everything is complete. If there is a written document, it should be completed prior to the oral presentation rather than at the same time. As a group, realize not everyone may work off a physical calendar. Thus, do not hesitate to require each member to write down all deadlines.

Next, the group can strategically add meeting dates, times, and venues to the action timetable. A meeting is a structured conversation among a small group of people who gather to accomplish a specific task (Beebe & Mottet, 2010). For group presentations, meetings do not always include the entire group. So a schedule of who meets with whom and when is useful for planning work and agendas. In addition, all meetings do not serve the same purpose. For example, informational meetings may be called simply to update all group members; solicitation meetings are called to solicit opinions or request guidance from group members; group-building meetings are designed to promote unity and cohesiveness among group members; and problem-solving meetings result in making decisions or recommendations by the time the meeting convenes.

Once the group is unified about the assignment objectives and time frame, it is vital to predetermine the type of note-taking required of each group member (which may vary) and the variety of information exchange. The more systematic a group is in these two areas, the more unified the process and the product. The system begins with each group member writing down the message, specific purpose, and central ideas for the group presentation. If these are still to be determined, then have each group member identify the areas of background information needed and basic information gathering. Next, simply create a general format for note-taking—whether typed or handwritten and what types of details should be included especially sources. Also with the increasing use of electronic databases be very clear on when related articles should be forwarded to group members. The email inbox flooded with PDF files is not always a welcome situation.

The group should be clear on the explicit requirements for locating recent, relevant, and audience-appropriate source material for the presentation. All of this leads to the foundation of clearly defining the responsibilities of each group member. All tasks should be listed, given deadlines, and assigned people. A means for tracking the progress of each task should be outlined. The group should be clear on what are individual, joint (involving more than one group member), and entire group tasks. Throughout the entire process, all group members should be supportive and helpful but should not offer to do other people’s work.

Organizing for Your Audience

Organizing for your audience relates to how the gathered content can be best arranged for them. According to Patricia Fripp (2011), a Hall of Fame keynote speaker and executive speech coach, any presentation can be intimidating but the key is to remember “your goal is to present the most valuable information possible to the members of the audience” (p. 16). Now what you think is most valuable and what the audience thinks is most valuable must be coordinated because of differences in perception (the process by which we give meaning to our experience). Therefore, organizing for your audience is focused on content, structure, packaging, and human element—not for you, not for the assignment, but for the audience. A customized plan of organization will assist your group in creating relevant messages that satisfy others’ personal needs and goals (Keller, 1983).

Audience members are interested in your expertise that has been developed from solid research and preparation. Audience members may have expectations about what foundational literature and key sources should be contained within your presentation. Therefore as a group, you need to go beyond providing a variety of supporting material within your presentation to considering who will be present, levels of expertise, and their expectations. In general, organizing the content should be focused on usage, knowledge levels, and objectives. First, usage refers to how audience members expect to use your presentational content which will help the group transform ideas into audience-centered speech points. Second, knowledge level means the audience’s knowledge level about the topic within the audience which assists the group in developing supporting material for the entire audience. Third, the objectives are linked to how the content serves the audience’s needs and assists the group in being intentional about helping the audience see the reason for their involvement and receive value for the time they devoted to attend. Overall, the content is coordinated in a way that keeps at the forefront who the decision-makers are and what specifics they need to know, would be nice to know, and do not need to know.

Next professionally packaging a presentation for the audience deals with the structure or how you arrange points. The structure takes into consideration a strong opening, logical order, relevant key points, conciseness, and use of supplementary visual aids. In addition, the linking of points involves conversational language and the appropriate use of acronyms and technical jargon for inclusion or exclusion. The focus is geared to the perception of trustworthiness. Three strategic questions to answer include:

  • What qualities as a group will demonstrate your trustworthiness to this audience?
  • What content order needs to be achieved to give a consistent perception of fairness?
  • What content requires repeating and how should that be achieved—through comparisons, examples, illustrations, etc.?

The packaging of successful group presentations revolves around the type of relationship with the audience, the division of time, and enthusiasm. An important dynamic of group presentations is for your group to know if audience members will be required to give an internal presentation or briefing from your presentation. As a group, know if you are packaging a one-time presentation, bidding for a long-term relationship, continuing a relationship for offering expertise, or if the presentation is tied to internal pressures to performance appraisals. Such knowledge will aid your group in developing talking points which can be re-presented with accuracy.

The type of presentation will help you divide the time for your presentation. The majority of the time is always spent on the body of the speech. A typical 30-minute speech might be divided into four minutes for the introduction, ten minutes for the body, and four minutes for the conclusion. The remaining 12 minutes is for the audience to ask questions, offer objections, or simply to become part of the discussion. It is important to leave enough time for the audience to contribute to the intellectual content. Therefore, always design group presentations with the intent not to run out of time before the audience can participate. All group presentations should have enthusiasm. Group members should be enthusiastic about the audience, message, and occasion. Planned enthusiasm should play a role in creating the introduction, conclusion, and body of your presentations. The consistent use of enthusiasm can be planned throughout the speech outline.

Human Element

Now it is time to focus on compatibility. As a group, consider what will it take to get this audience to pay attention to your presentation. Answer questions such as:

  • What can your group do to develop an introduction, transitions, and conclusions in a way to connect with this audience?
  • What types of stories are common or relatable to this audience?
  • What are the attitudes, beliefs, and values of this audience?

Delivering Your Presentation as One

By completing the other levels of coordination, the group will have decided on the key message, thoroughly researched the supporting material, developed logical conclusions, and created realistic recommendations. Therefore all that stands between you and success is the actual presentation—the vehicle that carries the facts and the ideas to your audience. Here it is important to recognize that if an assignment required both a written document and an oral presentation then be sure one effectively complements the other. Although you can reference the written document during the oral presentation, the oral presentation should be planned with the thought in mind that not everyone is given the written document. Therefore, the oral presentation may be the only content they receive. Since you will not always know who receives the written document, it is best to coordinate the presentation as if no one has the full written document, which can serve as a reference tool for gaining content requiring further explanation or accessibility to detailed information. At the same time, if the entire audience is provided written material keep in mind different decision-makers may be in the audience. For example, the creative director may be only interested in your creative concepts, whereas a vice president of finance may be only interested in figures.

The presentation preparation primarily focuses on your group’s ability to develop a clear plan and execution of delivery. A delivery plan includes essential elements such as (1) purpose, (2) oral content, (3) dress, (4) room, (5) visuals, (6) delivery, and (7) rehearsal to ensure that the group presentation is both captivating and useful to your audience, as well as worth their time.

Group members should keep at the forefront of their minds the answer to the question “Was the general purpose—to inform or to persuade—achieved?” As a group, practice keeping the purpose of the presentation explicit for the audience. The purpose should never become hidden during the presentation. Each group member’s awareness of the purpose is important in maintaining the right kind of delivery. It is possible to have great content for a presentation and miss the entire purpose of the presentation. For example, say your group had been asked to do a presentation about Facebook and how it could be used in the financial industry. You could take an informative or persuasive approach. However, if the audience—banking professionals—attends a presentation where the content is focused on Facebook rather than having a focus on its use in the financial industry, then the purpose was not achieved.

The delivery plan will help you evaluate if the purpose of the presentation is clearly aimed at the primary audience. In addition, the group can determine when and how clearly they are articulating the explicit purpose of the presentation. The purpose is complemented by a clear preview, the audience members’ awareness of what decisions are at issue, and the audience’s desire to get important information first.

Oral Content

Up to this point the majority of the group’s engagement with the content has been in terms of reading and writing. It is time to orally interact with the selected content to ensure that it has been developed for this audience, properly structured, and clearly articulated. The delivery plan is a time to evaluate word choice, idioms, and antidotes. When working with this content, make sure that it is suited to the purpose, and that the key message is explicit so the audience remembers it well.

The introduction of group members, transitions, and internal summaries are all important elements of the delivery plan. A proper introduction of group members and the content will not happen automatically. Therefore, it is important to practice it to determine if introductions fit better at the beginning of the presentation, if names need to be emphasized through the wearing of name tags, or if names are better used as a part of transition content. The use of name only may not be effective in some speaking situations. Therefore, the group needs to determine what a proper group member introduction includes beyond the name. Plus, be consistent; that is, determine if everyone is using first name only or full name, do they need to know your positions, some background, or can you simply state it in a written format such as a team resume. Speech content is not useful if the audience does not accept your credibility.

As in all presentations, an awareness of your physical appearance is an important element in complementing the content of your speech. Do not hesitate to talk about and practice appropriate dress as a group. It is important to look like a group. Really consider defining a group’s speaking uniform by deciding how formal or informal the dress code is.

As a group, the overall question you want to be able to answer is: Did our dress provide an accurate first impression not distracting from the content? So what kinds of things can be distracting? The most common are colors, busy patterns, and large or clinking jewelry. As a group determine what type of dress is effective in coordinating your group’s credibility. It is important to take into consideration cultural, occupational, and regional norms. In addition, it is important to think about branding choices. Often groups want to brand themselves for the audience. It is not necessary to mimic your audience. For example, a sales presentation to cranberry association members may entice a group to wear red. However, the cranberry association may not be the only sale your group needs to make so you will be forced to ask the question: Will each sales presentation audience determine the color we accent in dress? In short, do not let the speaking occasion brand you. Simply know what is considered professional for this presentation. You have spent a lot of time on preparing the content for this audience so do not detract from it.

It is not always feasible to practice your delivery in the actual room where you will deliver your speech. However, it is extremely important that you actively plan your delivery for the room by recreating the speaking environment. If prior access to the room is not available, then you will need to do your planning by asking a series of questions of the presentation planner. Some common things to find out include the size of the room; if a projector is available and its location within the room; is there a platform and/or a stationary lectern; is there a sound system and how many microphones; where the group will be seated before being introduced; will the presentation be recorded; what is the availability of the room in advance of the presentation; and what is the number of seats and seating arrangement so the group can plan for the zone of interaction.

The term visuals refers to both non-technology visual aids (handouts, posters, charts, etc.) and presentation technology. Visuals should not appear as though several individuals made them but rather as uniform to the group’s presentation. All visuals should blend smoothly into the speech. All group members should be clear on what visuals or documents were pre-requested (so you do not eliminate them as unnecessary during rehearsal). Many times it is better to simply project or display visuals. At other times, visuals may need to be assembled in a presentation packet for all audience members. Bohn & Jabusch (1982) suggest that there are several researched-based reasons why visual aids enhance presentations including (a) enhanced understanding —helps audience comprehend what they hear and see; (b) enhanced memory —serves as a visual reinforcement; (c) enhanced organization—visually displays your organizational strategy; (d) enhanced attention —grabs and maintains audience interest; and (e) enhanced sequencing —shows rather than describes.

The four modes of delivery—memorized, impromptu, manuscript, and extemporaneous—are all valuable in group presentations. However, the most common mode of delivery is extemporaneous. Earlier in the chapter, developing a script was discussed. The step of transforming the script into a delivery outline —an abbreviated version of the preparation outline (DiSanza & Legge, 2011)—is a significant part of planning delivery. The ultimate goal is to figure out how the group can be confident that the entire presentation stays together and does not just exist in pieces. The delivery outline may go as far as to stipulate vocal and gesture instructions. The delivery outline is not created to be read from, therefore, the group also should determine how speaker notes will be used. The delivery outline should be provided to every group member so everyone is familiar with the entire presentation. It is important to set up contingency plans for who will present content if someone is absent on the day of the presentation—the presenter who gets stuck in morning traffic or the professional who had a flight delay.

The key is for all group members to remain conversational in their delivery style. This may be best achieved by utilizing effective delivery strategies such as appropriate gestures, movement, and posture; appropriate facial expressions including eye contact; and appropriate vocal delivery—articulation, dialect, pitch, pronunciation, rate, and volume. Group members should evaluate each other on audibility and fluency.

Rehearsals are for the final polishing of your presentations. It is a time to solidify logistics of how many group members are presenting, where they will stand, and the most appropriate transitions between each speaker. Group members should grow more comfortable with each other through rehearsals. A key aspect of polishing involves identifying gaps in content and gaining feedback on content (oral and visual), style, and delivery. The rehearsals are a good time to refine speaker notes and to practice the time limit. The number of scheduled rehearsals is dependent on your group and the amount of preparation time provided. The most important element for the group is to adapt their rehearsal timetable based on an honest evaluation of the speaking skills represented within the group.

The only part of a group presentation that you may not be able to rehearse is responding to the actual audience members’ questions and objections. However, you can anticipate the types of questions and practice a simple strategy of how you will respond—repeating the question, stating who from the group will respond, and answering succinctly. Four of the most common types of questions are follow-up questions; action-oriented questions focused on what would you do if; hypothetical questions focused on different scenarios; and information-seeking questions. A primary way to practice is to think of at least three questions you would like to answer, prepare the answer, and practice it during rehearsal(s).

The foundation of a group presentation is constructed from all the guidelines you use in an individual presentation coupled with additional strategies for working effectively with others. Group presentations primarily entail group communication, planning, organization, and delivery. Effective groups communicate about interaction roles, decision-making, and conflict resolution. Such communication helps the group reflect on group dynamics, customize communication for this speaking group, and establish a unified commitment and collaborative climate.

48 How to deliver your presentation

In this chapter you’ll learn how to deliver a presentation. We’ll look at voice and body language skills that keep your audience engaged and inspired. 

Excellent presenters use many delivery skills. Don’t worry about being perfect at all of them;  start by working on the three skills you identified in Chapter 3. When those skills feel improved, choose three more to work on.

Volume   Speak loudly enough so that we can hear you. Good volume also makes you sound confident

Clarity   Enunciate your words, and avoid mumbling, so the audience can easily understand what you’re saying

Tone   Match your tone to the content. Typically, tone goes higher when we are unsure or are asking a question, and goes lower when we are stating a fact or being authoritative

Pace   Speak slowly enough to be understood, and vary your pace to add interest

  • Choppiness – Speak as fluidly as possible, avoid hesitations and unusual pacing
  • Speed – Speak smoothly and confidently, but a little slower than in normal conversation. In multicultural situations (where we might not be familiar with each others’ accents) speak even slower, and watch your audience to make sure they understand you.
  • Pauses – Listening can be tiring. Brief pauses let your audience absorb information. You can also use pauses to add emphasis or anticipation.

Vocal variety   Vary your tone, pace and volume to add interest, emphasis and clarity. For example, speak a little faster to add excitement or anticipation, or speak a little louder to show emphasis. Some cultures and languages tend to be more monotone, so some students may have to work a little bit harder to ensure they vary their tone.

Body language

Professional posture   Good posture supports your voice, and makes you look professional and confident (when we’re nervous we tend to hunch and cross our arms).  Face the audience most of the time, and avoid turning your back on them to look at your  slides.

Manage your movement   Repetitive body movements, such as tapping your foot or swaying, can also distract the audience. If you’re presenting in person, slowly move around the physical space, such as moving towards the audience, or from one part of the room to another.

Use gestures   Use gestures to add interest, emphasis, and help explain what you’re saying, such as indicating part of a slide or demonstrating an action.

Eyes & face

Make eye contact most of the time  Eye contact shows confidence and helps everyone in the audience feel included. Look at all parts of the room. Secret tip for shy presenters: look at people’s foreheads – it has the same effect as eye contact. If you’re presenting online, this means looking at the camera. If you’re using notes should be point form – not full sentences – that you can quickly glance at, not read.

Manage your facial expressions   You can show passion and emotion through facial expressions. But be careful, sometimes presenters show how nervous they are by having a look of worry on their face.

Your passion will engage the audience. Show your enthusiasm, energy and interest through appropriate use of tone, pace, volume, facial expressions, gestures, and body language.

Your level of energy can be infectious, and inspire the audience. Even if your topic is serious, like mental health or a tragedy, you can still convey conviction and interest in the subject matter. Conversely, without passion, you can make even the most fascinating content boring, and cause your audience to disengage.

Filler words   Fillers distract the audience and make you seem nervous, unprepared or professional. These include uhh , umm , like, you know, and any other words or noises that are not actual content. Real words like and and so can also be used as filler words.

Vocabulary   Use words and phrases your audience understands; language that is appropriate for them. Will they understand abbreviations, acronyms, slang and jargon?

Transitions   Use transitions to connect sentences to each other, indicate that you’re moving to the next major point, or in group presentations, that you’re moving to the next speaker.

Make sure the length of your presentation matches your audience’s expectations. If your presentation is a lot shorter, the audience (and instructor!) might be disappointed; if you go overtime they might resent you.

After each presentation, make a note of 3 things that you did well, and 3 things you want to improve.

Opt to prepare more slides and pace your speech to match the topics shown on each slide. Don’t spend more than 3 minutes per slide unless you have to introduce a complex piece of data. Use visual cues to direct the spectators about what you talk about, and summarize the principal concepts discussed at the end of each section.

Tip #3: Practice meditation daily

Anxiety is the number one enemy of professional presenters. It slowly builds without you being aware of your doubts and can hinder your performance in multiple ways: making you feel paralyzed, fidgeting, making you forget language skills or concepts, affecting your health, etc.

Meditation is an ancient practice taken from Buddhist teachings that train your mind to be here in the present. We often see the concepts of meditation and mindfulness as synonyms, whereas you should be aware that meditation is a practice that sets the blocks to reach a state of mindfulness. For presenters, being in the here and now is essential to retain focus, but meditation techniques also teach us to control our breathing and be in touch with our body signals when stress builds up. 

The customary practice of meditation has an impact on imagination and creativity but also helps to build patience – a skill much needed for connecting with your audience in instructional presentations.

Having the proper set of presentation skills can be quite subjective. It goes beyond presentation tips and deepens into how flexible we can be in our ability to communicate ideas.

Different presentations and different audiences shape the outcome of our efforts. A word of advice: success doesn’t happen overnight. It takes dedication and patience to build communication skills . Don’t condition your work to believe you will be ready “someday”; it’s best to practice and experience failure as part of the learning process.

Presenting in a group brings its own unique set of challenges, and needs a set of skills that can be difficult to master. You may find yourself presenting as a group when you are pitching your company, taking part in a competition or maybe you are a student presenting group work.

Over the years I have watched hundreds of group presentations at universities around the world. Some of those group presentations have been amazing, some have been terrible.

I wanted to outline 4 key skills that you and your group or team can use to improve your presentations.

Present equally, but differently.

If you are giving a group presentation, its because the audience wants to see, hear, and get to know everybody in the group. So it’s important that you take equal responsibility during the presentation.

In your group, you may have some members with great presentation skills, and some with terrible presentation skills. It may be tempting to let your best presenter do the bulk of the speaking. This can leave other quieter or shyer team members on the sidelines.

Your quiet, shy, or less skilled team mates will already be at a disadvantage, so don’t let them get overshadowed by one or two superstar presenters. Try to make sure everyone in the team presents equally. Give each team member an equal amount of time in the spotlight if you can.

However, you should be clever about how you use your teams different presentation skills. Just because you want everyone to present equally doesn’t mean that you should simply chop your presentation into chunks and give each team member their own chunk. I hate watching presentations where teams say “We took 3 powerpoint slides each” and the team member presents simply because it is their turn.

Let each team member show their contribution to the group, and to the presentation, by letting them take charge of their specialist area. The marketing person should take the marketing section, the finance person should take the budget section, the designer should take the design section.

If you have someone on your team who is afraid to speak, or has a phobia of public speaking , get them involved in another way. Perhaps they pass around a demo unit. Perhaps they use body language to enhance the presentation. Perhaps they draw attention to specific areas of the powerpoint.

Come together during your presentation.

During your group presentation you want to show how well you work as a team. The best groups typically have 3 moments where they show how together they are. These moments appear somewhere near the start of the presentation, somewhere at the end of the presentation, and somewhere random and unexpected.

“Coming Together Moments” are little moments in the presentation where you all do something together. Imagine when the Power Rangers say “It’s Morphin’ time”. It could be as simple as saying your catchphrase, “oooh-ing” at the big reveal, celebrating a moment together, or something even more dramatic.

Great “Coming Together Moments” I have seen in team presentations are:

  • The whole team pulled off their jackets to reveal a new logo on their T-shirts.
  • A couple presented an elaborate handshake/high five.
  • Before a group showed their new video , as they dimmed the lights they revealed dark sunglasses and put them on in synchronisation.

Try to think of some interesting ways your team can show their togetherness 3 times during a presentation.

Interact, don’t take turns presenting.

It may be tempting to break a presentation down into parts, and have the rest of the team stay silent while one person presents their part, and then move on to the next speaker with the next part, and so on. This can lead to a boring and formulaic presentation.

Work on your skills interacting with your other team-mates. Rehearse friendly interruptions. Ask each other questions. Have some good natured back-and-forth conversations. Throw the presentation around to each other.

When this is well rehearsed and well scripted, it keeps the speakers and the audience fully engaged and excited.

Practice presenting “hand offs”

A great skill to practice is how you hand off from one speaker to another. Don’t just finish your line and hope that your team-mate picks up the presentation from where you left off.

Study how great late-night hosts, news anchors and other great presenters pass focus from one presenter to the other.

  • “Suzie will tell you more about that in a moment.”
  • “Here’s Jim to take us through the numbers.”
  • “Thanks for the insight Dave, let’s dive deeper into the numbers.”

A good hand off shows that your team trusts and respects each other. That you are all on the ball, and actively engaging with each other. It is a great skill to use because it also helps the audience remember the speakers names and specialist areas.

According to Australia’s Better Health Channel, communication is “ the transfer of information from one place to another ” and within relationships, it “ allows you to explain to someone else what you are experiencing and what your needs are ” (Victoria Department of Health & Human Services, n.d.).

When communication is good, we feel good about our relationships. Dr. Susan Heitler (2010) puts it this way:

When people say, ‘We have a great relationship,’ what they often mean is how they feel when they talk with one another. They mean, ‘I feel positive toward that person when we interact. I send and I receive positive vibes with them.’

Besides making our relationships easier, there are also relationship-boosting benefits to good communication:

  • Effective communication shows respect and value of the other person.
  • It helps us to better understand each other; not all communication is about understanding—some are intended to fight, dismiss, invalidate, undermine, etc.—but it should be!
  • It makes us feel more comfortable with each other and encourages even more healthy and effective communication (Abass, n.d.).

Fortunately, all it takes to develop better communication skills is a commitment to do so and a little bit of effort.

These tips from Australia’s Better Health Channel can help guide you toward better communication with your partner or spouse (these tips can also apply to any other relationship in your life with a little tweaking):

  • Set aside time to talk without interruption from other people or distractions like phones, computers or television.
  • Think about what you want to say.
  • Be clear about what you want to communicate.
  • Make your message clear, so that your partner hears it accurately and understands what you mean.
  • Talk about what is happening and how it affects you.
  • Talk about what you want, need and feel – use ‘I’ statements such as ‘I need’, ‘I want’ and ‘I feel’.
  • Accept responsibility for your own feelings.
  • Listen to your partner. Put aside your own thoughts for the time being and try to understand their intentions, feelings, needs and wants (this is called empathy ).
  • Share positive feelings with your partner, such as what you appreciate and admire about them, and how important they are to you.
  • Be aware of your tone of voice.
  • Negotiate and remember that you don’t have to be right all the time. If the issue you are having is not that important, sometimes let the issue go, or agree to disagree (Victoria Department of Health & Human Services, n.d.).

If you’re experiencing high levels of conflict in your relationship(s), the Better Health Channel has some specific recommendations for you:

  • Avoid using the silent treatment.
  • Don’t jump to conclusions. Find out all the facts rather than guessing at motives.
  • Discuss what actually happened. Don’t judge.
  • Learn to understand each other, not to defeat each other.
  • Talk using the future and present tense, not the past tense.
  • Concentrate on the major problem, and don’t get distracted by other minor problems.
  • Talk about the problems that hurt your or your partner’s feelings, then move on to problems about differences in opinions.
  • Use ‘I feel’ statements, not ‘You are’ statements (Victoria Department of Health & Human Services, n.d.).

8 Tips on How to Teach Communication Skills

This useful framework comes from Alice Stott at Edutopia (2018):

  • Physical: How a speaker uses their body language, facial expressions, and voice.
  • Linguistic: The speaker’s use of language, including their understanding of formality and rhetorical devices.
  • Cognitive: The content of what a speaker says and their ability to build on, challenge, question, and summarize others’ ideas.
  • Social and emotional : How well a speaker listens, includes others, and responds to their audience (Stott, 2018).

Once you have a good framework for understanding communication, try these 8 ways to foster effective communication in your children or students:

  • Teach your kids empathy so they can get a sense of what the other person is thinking and feeling.
  • Teach your kids conversation skills with techniques like puppets and video modeling, which they can then apply in exercises and activities.
  • Establish listening and speaking procedures in the classroom or at home (e.g., Dr. Allen Mendler’s SLANT strategy : Sit up straight, Listen, Answer and ask questions, Nod to show interest, Track the speaker; Mendler, 2013).
  • Teach respectful vocabulary and remind students that being “cold” (passive) or “hot” (angry) will probably result in less understanding and more conflict.
  • Teach the power of pausing (e.g., encourage them to pause, think, and ask questions like “What do you mean by that?” and “Why?”).
  • Have your kids practice speaking and listening in natural settings (e.g., outside of the home and classroom).
  • Encourage introspection in your children; it will help them understand themselves better as well as those around them.
  • Practice taking turns with a talking stick or a ball, teaching your children that they can speak when they have the object but they are expected to listen when others are talking (Stanfield, 2017).

One of the most effective ways to avoid unnecessary disputes is to practice non-violent communication (NVC). According to Rosenberg (1999), non-violent communication methods can serve us in three ways:

  • It can increase your ability to live with choice, meaning, and connection
  • It helps connect empathically with yourself and others to have more satisfying relationships
  • It shares resources so everyone is able to benefit

In an effort to exemplify the various forms that communication can take, we want to share some key differences between passive, assertive, and aggressive communication styles.

  • Specifically, a passive communicator prioritizes the needs of others, even at their own expense. This often leads to being taken advantage of and having their own needs disregarded by others as well.
  • An assertive communicator mirrors the values of NVC, which is what we should aim for. This communication style emphasizes the importance of all parties’ needs and is defined by confidence and the willingness to compromise
  • Aggressive communication, also referred to as violent communication, disregards any other parties involved and consists of constant disrespect, interrupting, and domination.

Now that you are familiar with these types of communication styles, it’s time to analyze how you convey your thoughts to others (and if there is any room for improvement).

If you’re looking for some concrete ways to build communication skills in adults, you’ve come to the right place. Below are 18 games, activities, and exercises that you can use to help adults develop more effective listening and communication skills.

5 Communication Activities for Adults

To get started improving your (or your team’s, or your student’s) communication skills, give these 5 activities a try.

1. Card Pieces

This exercise from the team at MindTools is a good way to help participants develop more empathy, consider other perspectives, build their communication and negotiation skills.

First, make sure you have enough people for at least three teams of two, enough playing cards to give out between 4 and 6 cards to each person, and 15 minutes to spare.

Here’s how the activity works:

  • Cut each playing card into half diagonally, then in half diagonally again, so you have four triangular pieces for each card.
  • Mix all the pieces together and put equal numbers of cards into as many envelopes as you have teams.
  • Divide people up into teams of three or four. You need at least three teams. If you’re short of people, teams of two will work just as well.
  • Give each team an envelope of playing card pieces.
  • Each team has three minutes to sort its pieces, determine which ones it needs to make complete cards, and develop a bargaining strategy.
  • After three minutes, allow the teams to start bartering for pieces. People can barter on their own or collectively with their team. Give the teams eight minutes to barter.
  • When the time is up, count each team’s completed cards. Whichever team has the most cards wins the round.

Afterward, you can use these questions to guide discussion on the exercise:

  • Which negotiation strategies worked? Which didn’t?
  • What could they have done better?
  • What other skills, such as active listening or empathy, did they need to use?

2. Listen and Draw

This game is easy to play but not so easy to “win.” It requires participants’ full attention and active listening.

Gather your group of participants together and hand out a piece of paper and a pen or pencil to each player. Tell them you will give them verbal instructions on drawing an object, one step at a time.

For example, you might give them instructions like:

  • Draw a square, measuring 5 inches on each side.
  • Draw a circle within the square, such that it fits exactly in the middle of the square.
  • Intersect 2 lines through the circle, dividing the circle into 4 equal parts.

As the exercise continues, it will get progressively harder; one misstep could mean that every following instruction is misinterpreted or misapplied. Participants will need to listen carefully to ensure their drawing comes out accurately. Once the instructions have all been read, compare drawings and decide who won.

For added engagement, decide in advance on what the finished product is supposed to represent (e.g., a spiderweb, a tree).

3. Communication Origami

This is a great exercise to help people understand that we all hear and interpret things differently, even if we are given the exact same information.

Here’s how it works:

  • Give one sheet of standard-sized paper (8.5 x 11 inches) to each participant.
  • Tell your participants that you will be giving them step-by-step instructions on how to fold their piece of paper into an origami shape.
  • Inform your participants that they must keep their eyes and mouths closed as they follow instructions; they are not allowed to look at the paper or ask any clarifying questions.
  • Give the group your instructions on how to fold the paper into the origami shape of your choice.
  • Once the instructions have all been given, have everyone open their eyes and compare their shape with the intended shape.

You will likely find that each shape is a little bit different! To hit the point home, refer to these discussion points and questions:

  • Make the point that each paper looks different even though you have given the same instructions to everybody. What does this mean?
  • Ask the group if you think the results would have been better if they kept their eyes open or were allowed to ask questions.
  • Communicating clearly is not easy, we all interpret the information we get differently that’s why it’s very important to ask questions and confirm understanding to ensure the communicated message is not distorted.

4. Guess the Emotion

Another useful exercise from the Training Course Material website is called “ Guess the Emotion .” As you might expect, it involves acting out and guessing emotions. This helps all participants practice empathy and better understand their coworkers or group members’ reactions.

Follow these instructions to play this engaging game:

  • Divide the group into two teams.
  • Place on a table (or put in a box) a packet of cards, each of which has a particular emotion typed on it
  • Have a participant from Group A take the top card from the table and act out (pantomime) the emotion for his/her group. This is to be done in a fixed time limit (such as a minute or two).
  • If the emotion is guessed correctly by Group A, they receive ten points.
  • Now have a participant from Group B act out an emotion; award points as appropriate.
  • Rotate the acting opportunities between the two groups.
  • After 20 to 30 minutes of acting and guessing, call time and announce the winning team based on its point total.

If you have a particularly competitive group, consider giving a prize to the winning team!

5. The Guessing Game

Finally, another fun and engaging game that can boost communication skills: “ The Guessing Game. ” You will probably recognize this game, as it’s similar to what many people know as “ Twenty Questions ,” except there is no hard limit on the number of questions you can ask.

To start, separate the group into two teams of equal (or roughly equal) size. Instruct one player from each team to leave the room for one minute and come up with a common object that can be found in most offices (e.g., a stapler, a printer, a whiteboard).

When this person returns, their teammates will try to guess what the object is by asking only “Yes or No” questions (i.e., questions that can only be answered with “yes” or “no”). The team can ask as many questions as they need to figure it out, but remind them that they’re in competition with the other team. If there’s time, you can have multiple rounds for added competition between the teams.

Take the last 10 minutes or so to discuss and debrief. Use the following points and questions to guide it:

  • Tell the group that obviously it took a long time and effort for us to find out the object in each round, but what if we didn’t have time and only had one question to ask to find out the object, what would that question be?
  • The question would be “What is the object?” which is an open-ended question.
  • Open-ended questions are an excellent way to save time and energy and help you get to the information you need fast, however, closed questions can also be very useful in some instances to confirm your understanding or to help you control the conversation with an overly talkative person/customer.

5 Listening Activities for Adults

If you’re intent on improving listening skills, in particular, you have lots of options; give these 5 activities a try.

1. Telephone Exercise

This classic exercise from Becky Norman (2018) at Sift’s Training Zone illustrates why listening is such an important skill, and why we shouldn’t ignore any opportunities to improve it.

Split your group into two even lines. At opposite ends of each line, whisper a phrase or short sentence to the person on the end and tell them to pass it on using only whispers, one person at a time. They can only repeat the phrase or sentence once.

While participants are busy passing the message along to the next person in line, play music or engage them in conversation to create some white noise. This will make it a bit more difficult but it will mimic real-life conditions, where distractions abound.

When the messages have made it to the end of each line, have the last person to receive the message in each line report out on what they heard. Next, have the first person to receive the message in each line report the original message and compare it to the final message received.

2. Stop Listening Exercise

This exercise , also from Becky Norman’s piece (2018), will show participants the emotional consequences of not listening and—hopefully—encourage them to practice better listening skills.

Split your group into two smaller groups of equal size and take one group outside the room. Tell them that they are instructed to stop listening to their partner after about 30 seconds, and to be open in showing their disinterest. Tell the other group to think of something that they are passionate about and be prepared to tell their soon-to-be partner a meaningful or personally relevant story about this topic.

Bring the other group back in, put all the participants into pairs, and tell them to get started. Observe the behavior from the listeners and the reactions from the speakers until you’re sure each speaker has picked up on what’s happening. Stop the conversations at this point and explain the instructions that were given to each group.

Facilitate a group discussion on the importance of listening, how to use active listening, and what indicates that someone is truly listening.

3. Listener and Talker Activity

The “Listener and Talker” activity is another good activity for showing the importance of active listening and giving participants a chance to practice their skills.

Divide your group into pairs, with one partner assigned to the talker role and the other assigned to the listener role. The talker’s job is to describe what he or she wants from a vacation without specifying a destination. The listener’s job is to listen attentively to what is being said (and what is not being said) and to demonstrate their listening through their behavior.

After a few minutes of active listening, the listener should summarize the three or main criteria the talker is considering when it comes to enjoying their vacation. Finally, the listener should try to sell the talker on a destination for their vacation. After a quick debrief on how well the listener listened, the two should switch roles and try the exercise again.

This exercise gives each participant a chance to practice talking about their wants and needs, as well as an opportunity to engage in active listening and use the knowledge they gained to understand and relate to the speaker.

4. Memory Test Activity

This great activity from TrainingCourseMaterial.com is called the “Memory Test” activity.

  • Tell participants that you are going to read them a list of words to test their memory.
  • Instruct them to listen carefully, as they cannot write down any of the words. Tell them you will test them later to see how many of the words they can remember.
  • When you finish reading the list of words, distract your participants by talking about something else for at least one full minute.
  • Once you have finished talking, have each participant write down as many words as they can remember from the list.

You (and your participants) will find that it’s pretty difficult to remember a list of somewhat-random words, especially when there is a break in time and another discussion in between hearing them and recalling them! Relate this to real-life listening by emphasizing the importance of paying attention to people when they are speaking to you, especially if it’s an important conversation.

5. Just Listen Activity

This activity comes from the folks at MindTools.com and offers participants a chance to communicate their feelings and provide a recap or rephrasing of another person’s feelings on a subject.

To get started, you will need an even number of people to pair off (or prepare to partner with one yourself) and eight index cards per pair. These index cards should have one topic written on each card; try to make sure the topics are interesting but not too controversial, as you don’t want listeners to dislike the speakers if they disagree with their viewpoint (e.g., you should probably avoid politics and religion).

Use these instructions to conduct the activity:

  • Have the team members sit down in their pairs.
  • Give each pair eight of the index cards.
  • Instruct one partner to choose a random card and then speak for three minutes on how he or she feels about the topic.
  • Instruct the other partner to stay quiet while the first partner talks, just listening instead of speaking.
  • After the three minutes is up, the listener has one minute to recap what the speaker said (not agree, disagree, or debate, just recap).
  • Have each pair switch roles and repeat the exercise so both partners get a chance to speak and to listen.

After each participant has played both roles, end the activity and guide a discussion with the following questions:

  • How did speakers feel about their partners’ ability to listen with an open mind? Did their partners’ body language communicate how they felt about what was being said?
  • How did listeners feel about not being able to speak about their own views on the topic? How well were they able to keep an open mind? How well did they listen?
  • How well did the listening partners summarize the speakers’ opinions? Did they get better as the exercise progressed?
  • How can they use the lessons from this exercise at work?

6 Nonverbal Communication Activities for Adults

Nonverbal communication activities for adults

Nonverbal communication is just as important as verbal communication, if not more so!

Use these 6 activities to practice reading and “speaking” effective nonverbal messages.

1. Power of Body Language

This activity from TrainingCourseMaterial.com will help your participants work on their body language skills.

  • Tell the participants that you are going to give them a series of instructions and you want them to follow them as fast as they can.
  • Put your hand to your nose.
  • Clap your hands.
  • Touch your shoulder.
  • Stamp your foot.
  • Cross your arms.
  • Put your hand to your mouth (but while saying this one, put your hand to your nose).
  • Observe how many participants copied what you did instead of what you said.

Share this observation with your group and lead a discussion on how body language can influence our understanding and our reactions. It can reinforce what we hear or it can interfere with the verbal communication we receive. The more aware we are of this possibility, the better communicators we become. It’s vital to keep your own body language in mind, just as it’s vital to notice and understand others’ body language.

2. Clap and Follow

The “Clap and Follow” activity is a great way to practice using your body in conjunction with verbal communication.

It works like this:

  • Tell your group that this is a game that requires their full concentration.
  • When they hear one clap from the leader (you), tell them this means they should stand up.
  • When they hear two claps from the leader, they should hop once in place.
  • When they hear three claps, they should rub their belly.
  • When they hear four claps, they should do a 360-degree turn on the spot.
  • When they hear five claps, they should pat their head.
  • Begin the activity! Start with one clap, then two claps, and so on until you have given the group each instruction once.
  • Now, mix it up! Switch between the five different instructions and begin to pick up the pace. This is when the eliminations begin.
  • Each time a participant engages in the wrong activity, eliminate them from the game. Continue until there is one clear winner.

If you have a competitive group, you may want to bring a prize to ensure active engagement with the exercise. It will give participants a chance to practice nonverbal communication in a fun context.

3. Wordless Acting

This activity from Grace Fleming (2018) at ThoughtCo will show your participants how much we “speak” with our body language and facial expressions.

Here are the instructions:

  • Separate your group into pairs.
  • Assign one participant in each pair to be Partner A and the other to be Partner B.
  • Give each participant a copy of the script (copied below).
  • Instruct Participant A to read his or her lines out loud, but instruct Participant B to communicate his or her lines in a nonverbal way.
  • Provide Participant B with a secret emotional distraction written on a piece of paper (e.g., Participant B is in a rush, is really bored, or is feeling guilty).
  • Have each pair work through the script.
  • After each pair has finished working through the script, have the “A” participants guess what emotion their partner was feeling.

This is the script you will give each participant:

A: Have you seen my book? I can’t remember where I put it. B: Which one? A: The murder mystery. The one you borrowed. B: Is this it? A: No. It’s the one you borrowed. B: I did not! A: Maybe it’s under the chair. Can you look? B: Okay—just give me a minute. A: How long are you going to be? B: Geez, why so impatient? I hate when you get bossy. A: Forget it. I’ll find it myself. B: Wait—I found it!

After the activity, guide a discussion on how much information we can pick up from nonverbal communication and how important it is to regulate our bodies and our facial expressions when communicating, even if we’re also using verbal communication.

4. We Have to Move Now!

Another great exercise from Grace Fleming (2018) is called “We Have to Move Now!” and it will help your participants learn how to express and detect several different emotions.

These are the instructions for this activity:

  • Cut several strips of paper.
  • On each strip of paper, write down a mood, feeling, or disposition, like guilty, happy, suspicious, paranoid, insulted, or insecure.
  • Fold the strips of paper so you can’t see what is written on it and place them in a bowl or jar. These are your prompts.
  • Have each participant take a prompt from the bowl or jar and read the exact same sentence to the class, but with the emotion the prompt specifies.
  • The sentence everybody will read is: “We all need to gather our possessions and move to another building as soon as possible.”
  • Have the participants guess the emotion of each reader by writing down what they think the speaker is feeling (or what they are supposed to be feeling).

After each participant has had a chance to read the sentence based on one of the prompts, run through the emotions displayed and see how many each participant guessed correctly. Finally, lead a debriefing discussion on how things like tone and body language can impact the way a message is received.

5. Stack the Deck

All you’ll need for this exercise is a deck of playing cards, a blindfold for each participant, and some space to move around.

Here’s how “Stack the Deck” works:

  • Shuffle the deck of cards and hand one out to each participant.
  • Instruct the participants to keep their cards a secret; no one should see the suit or color of another participant’s card.
  • Tell the participants that they will not be allowed to talk at all during this exercise.
  • Instruct your participants to assemble into four groups according to their suit (hearts, clubs, diamonds, spades), but using only nonverbal communication.
  • If you have the time and your participants have the inclination, try blindfolding each participant and giving the same instructions—it makes it much more difficult and more time-consuming!
  • Once participants have all gathered into one of the four groups, have them line up according to their rank (Ace is the lowest, King is the highest); again, they cannot speak or show their cards to anyone during this part of the exercise.
  • The group that lines up in the right order first wins!

As always, you can offer a prize to the winning team to motivate your participants.

This exercise will show how difficult it is to communicate without words, but it will also show your participants that it is not only possible, it gets easier as they start to pick up on one another’s nonverbal cues.

6. Silent Movie

Finally, facilitate this activity to really drive home the importance of effective nonverbal communication.

Divide your participants into two groups. For the first half of the activity, one group will be screenwriters and the other group will be actors. In the second half, the two groups will switch roles.

Instruct the screenwriters to write a silent movie, but to keep these things in mind:

  • Silent movies tell a story without words. It’s important to start the scene with the actor doing an obvious task, like cleaning the house or rowing a boat.
  • The scene must be interrupted when a second actor (or several actors) enter the scene, and their arrival should have a big impact. The character(s) could be anyone (or anything), including burglars, salesmen, children, or even animals.
  • A physical commotion must occur.
  • The problem that is caused by the commotion must be resolved by the end of the scene.

Give the screenwriters time to write out their script, then have the actors perform the script. Once the scene is finished, have the groups switch roles.

2 Communication Group Activities

Other great activities for group communication include the “Square Talk” and “Follow All Instructions” activities.

1. Square Talk Activity

For this activity , you will need one blindfold for each participant, one long piece of rope for each team (teams should be composed of around 5 participants each), and 25 minutes.

Follow these steps to give this activity a try:

  • Divide your group of participants into groups of about 5 each.
  • Clear the room so you have as much space as possible.
  • Blindfold each participant and tell them their objective: to make a square from a rope (i.e., stand in the shape of a square with their team).
  • Disorientate each participant by moving them a bit, spinning them around, etc.
  • All team members are blindfolded and must remain so for the duration of the activity.
  • The rope you are holding is approximately ___ feet in length.
  • The role you are holding is knotted together to form a circle; it must not be undone.
  • You must not let go of the rope.
  • You will be told when you have 5 minutes remaining.
  • Allow the teams to work on the activity and inform them when they have 5 minutes left.

Once the teams have given this activity their best shot, use these 5 discussion questions to review the importance of good group communication:

  • Do you feel as a group you communicated effectively?
  • During the Activity, what communication skills did you use effectively?
  • During the activity, what communication skills could you have used to improve performance?
  • How important is communication in the workplace? Why?
  • What key points have you learned about communication from this activity, that you wish to apply in the workplace?

2. Follow All Instructions Activity

This activity from TrainingCourseMaterial.com is a great one for young people, but it can be used with participants of all ages. All you’ll need is a set of instructions for each participant.

  • Write all of your teams initials at the top right-hand corner of this sheet.
  • Write your first name on your sheet of paper.
  • Write the total of 3 + 16 + 32 + 64 here: __________________
  • Underline instruction 1 above.
  • Check the time by your watch with that of one of your neighbor’s.
  • Write down the difference in time between the two watches at the foot of this page.
  • Draw three circles in the left-hand margin.
  • Put a tick in each of the circles mentioned in 6.
  • Sign your signature at the foot of the page.
  • On the back of the page, divide 50 by 12.5.
  • When you get to this point in the test, stand up, then sit down and continue with the next item.
  • If you have carefully followed all these instructions, call out ‘I have’.
  • On the reverse of this page, draw quickly what you think an upright bicycle looks like from overhead.
  • Check your answer to Item 9, multiply it by 5 and write the result in the left-hand margin opposite this item.

As you can see, the instructions include lots of silly directives (e.g., “When you get to this point in the test, stand up, then sit down and continue with the next item.”) that will identify who is following the directions and who is not—but the person that stands is actually the one not following directions!

The first and only verbal instruction you will give participants is to read all the written instructions first before engaging in any of the directives. The first person to complete the list will be declared the winner of the activity. You can offer a prize to the winner if you think the group would be motivated by it.

This exercise is a fun way to see who is paying attention and who is skipping the most vital instruction—to read everything before acting.

Communication in Relationships

7 Communication Games for Couples

Defeating Divorce shares the following three games aimed at improving communication in a romantic relationship.

This game is goal-directed, meaning the couple is working towards a common goal, and that goal requires effective communication.

  • The couple sits back to back with an identical set of building blocks in front of each of them.
  • One partner uses their blocks to create some sort of building or structure.
  • The builder partner then relays a series of instructions to the other partner to help him or her build the exact same structure.
  • The listener partner must try to build the same structure based on the speaker partner’s instructions.

This game takes some serious teamwork and good communication, and it can be repeated as needed to help a couple build their skills.

2. Minefield

“Minefield” is a physical game that will not only get both partners up and moving, but it will also require a great deal of trust and communication to complete the challenge.

You will need a blindfold for one partner, some space to navigate, and some objects with which you can create a minefield or obstacle course. Once the course is ready to go, blindfold one partner and bring them into the room.

The challenge here is for the non-blindfolded partner to guide the blindfolded partner through the obstacle course using only verbal communication. The couple will only succeed if the blindfolded partner has trust in their partner and the non-blindfolded partner is an effective verbal communicator.

Feelings of frustration are common in this game, but it can be a great way to highlight issues in communication or, alternately, highlight the couple’s communication strengths.

3. Give Me a Hand

This game is another one that can be frustrating for the couple but ultimately provides a great opportunity to build effective communication skills and unite the two in a common goal.

In this game, the couple will be given a seemingly easy task to complete, such as buttoning a shirt or tying a shoe, but with a catch—each partner will have one arm tied behind their back. The couple will find that the lack of one arm makes the task much more difficult than they might expect!

To complete the task, the couple will need to communicate effectively and coordinate their movements. It will be tough, but immensely satisfying to successfully complete this challenge!

4. Twenty Questions Times Two

If you remember the game “Twenty Questions”, you’ll recognize this game. It can be used to help couples communicate, share important details, and strengthen their connection.

Here’s how:

  • The couple should schedule some time alone, without distractions.
  • Before playing the game, each partner should come up with a list of 20 detailed personal questions to ask the other partner. The couple should feel free to get creative here!
  • Both partners take turns asking each other one question at a time.
  • When they’ve finished asking each other their questions, they should reverse them! Instead of asking questions like, “What is your favorite color?” each partner will ask, “What is my favorite color?”

This fun twist on a familiar game will result in greater knowledge and understanding of your spouse and, hopefully, better communication skills.

5. Eye-to-Eye

This game is a good way for couples to work on communicating and improving their connection, and all you need is your eyes!

Here’s how to do it:

  • The couple sits facing each other, close enough to hold hands.
  • Each partner looks directly into the other partner’s eyes.
  • Each partner should take a minute to notice the feelings they are experiencing at this point.
  • One partner begins talking about something simple and easy to discuss, like what happened that day, what they had for lunch, or something they are grateful for.
  • The other partner reciprocates with a similar conversation, all while holding eye contact.
  • The couple continues sharing things one at a time until each partner has shared at least three or four times.
  • The couple discusses what the experience was like.

Many people find this game uncomfortable at first, but with practice, it can greatly enhance your sense of intimacy with your partner.

6. The Top Three

Similar to the “three good things” exercise, this game’s aim is to boost a couple’s gratitude for one another and give them both a chance to practice expressing it. Couples should schedule a time for this game every day, but the good news is that it doesn’t take long—just a few minutes will do.

To play “The Top Three”, couples should follow these instructions:

  • At the end of each day, take some time to reflect on your day. Think about what your partner has done for you today.
  • Take turns sharing those three things with your partner and tell them what each thing meant to you.
  • Don’t forget to say “thank you” or otherwise verbally express your gratitude to your partner!

This game gets couples to practice vocalizing their appreciation and expressing gratitude, two things that are not necessarily in everyone’s daily communications but can have a big impact on a relationship.

7. Make a Playdate

Playdates are not just for kids or puppies—they are a great idea for couples as well! A play date is not your average, regularly scheduled programming sort of date, but something that is different, spontaneous, unique, and/or just plain fun!

Here are the three ground rules for the playdate:

  • It has to be something for just the couple to do and they cannot include the kids or discuss mundane things like chores or bills.
  • It has to be something that requires both partners to be present in the moment; think sailing, rock climbing, or dance lessons rather than seeing a movie or going out to dinner.
  • The couple should take turns picking the activity and try to surprise their partner with something new.

Planning this date will not only make it easier to feel connected and closer to one another, but it also provides couples with an opportunity to communicate their love for one another through their actions. Depending on the date activity, it can also provide some much-needed time for the couple to talk.

5 Exercises and Activities for Married Couples

These exercises , also from Defeating Divorce, are not just for married couples, but for anyone in a committed relationship.

1. Fireside Chats

This communication exercise is based on President Franklin D. Roosevelt’s “fireside chats,” in which he addressed the American people with the intention of making it feel as if he was speaking directly into their living room, carrying on a calm and rational discussion of important issues.

The intention of this exercise for couples is similar: to make the couple feel more connected, more aware of what is going on in each other’s lives, and to maintain a pulse on how the relationship is going.

The two partners should schedule a 15 to 30-minute “fireside chat” each week to practice their ability to speak calmly, respectfully, and effectively about important and relevant issues. They should minimize the chances of distraction (turn off the TV, put their phones on silent, etc.) and focus only on one another for these chats.

What the couple discusses is up to them, but if there are salient relationship issues, this is a good time to talk about them. If the issues are very serious, it may be a good idea to start out this exercise talking about less intense, less emotional topics before moving on to the problem areas.

2. High-Low Activity

The high-low activity also aims to help couples feel more connected and in touch with one another, which requires measured and thoughtful communication. Engaging in this exercise daily will give the couple a chance to practice their communication skills on a regular basis, as well as their active listening skills.

Here’s how the exercise works:

  • Wait until the end of the day (e.g., at the end of dinner, around bedtime) to put it into practice.
  • The couple will then “check-in” with each other about the other’s day.
  • Each partner will ask the other to share their “high” of the day or the best part of their day.
  • Next, each partner will ask the other to share their “low” of the day or the worst or most disappointing part of their day.
  • As one partner is sharing, the other should practice active listening techniques, conveying their empathy and understanding to their partner.

This simple activity will result in a more intimate and understanding relationship between the two partners, all for just a few minutes a day.

3. Listening Without Words

If a couple wants to practice both their verbal and nonverbal communication, this is a great way to do it. The “Listening Without Words” activity allows each partner to apply both verbal and nonverbal communication skills, as it involves switching between only speaking and only listening.

This is how to practice it:

  • The couple will schedule some time for themselves without kids, work, or other responsibilities interrupting them.
  • They set a timer for somewhere between 3 to 5 minutes.
  • Until the timer goes off, one partner acts as the speaker and the other acts as the listener. The speaker will talk about any subject they’d like to talk about.
  • While the speaker talks, the listener will attempt to show the speaker compassion, empathy, and understanding through nonverbal communication only (e.g., smiling, nodding, taking their partner’s hand).
  • When the timer goes off, the partners will have a chance to process what they experienced and discuss any thoughts or feelings that came up.
  • Finally, the partners switch roles and repeat the exercise.

This exercise is a great way to boost your bond and your skills at the same time.

4. Eye See You

Similar to a previous exercise (“Eye-to-Eye”), this exercise relies heavily on eye contact; however, unlike the previous exercise, this one does not allow talking until the end.

Here’s how to give it a try:

  • The couple should be in a quiet and relaxing environment, with as few distractions as possible.
  • They sit in two chairs facing one another, near to one another but not touching.
  • The couple sets a timer for five minutes and settles in their respective seats, making and holding eye contact with one another. They will hold eye contact but refrain from speaking or touching until the timer goes off.
  • Both partners should be encouraged to note any thoughts, feelings, or sensations that come bubbling up during these five minutes.
  • Once the timer goes off, the two should try to guess what the other person was thinking and feeling during the five minutes. Once they have a chance to guess, they should discuss these things that bubbled to the surface as they maintained eye contact.

It might surprise some people to hear what their partner was thinking and feeling during the activity, but a strong relationship depends on understanding and empathizing with one another, making communication like this a necessity.

5. Send Me a Postcard

Although we’ve mostly focused on verbal communication and communications via body language, facial expressions, and touch, there is another form that we haven’t mentioned: written communication. This activity guides the couple in developing more effective written communication skills.

Both partners should have two blank postcards and something to write with for this exercise. On one postcard, each partner will write down a message to the other partner communicating a frustration, a feeling, or a desire. They should take a few minutes to create a thoughtful message to their partner.

Once they have their postcard ready to “mail” each partner will deliver their message to their partner without any verbal communication. They will both read their partner’s message and take a few moments to process. When they feel ready, they will use their remaining blank postcard to craft a response to their partner’s message.

When both partners have finished writing their response, they will deliver those messages to one another as well. After they have both read the response postcards, the couple can debrief and discuss their messages to one another.

5 Communication Exercises for Couples Therapy

1. Active Listening

Active listening is not the easiest skill to master, but it is an important one to develop. This exercise from marriage counseling expert Racheal Tasker will give you a chance to practice it with the person closest to you.

The next time you and your partner are talking about something important or sensitive, put these tips and techniques into practice:

  • The speaker should remain focused on a single thought or idea.
  • The listener should listen attentively to the speaker, concentrating on understanding their perspective and attempting to gain new insights into their thoughts and feelings.
  • The speaker and listener should switch roles after a while to allow each to practice both types of communication.
  • Both partners should practice speaking and listening with patience and love, allowing their feelings for their partner to guide them toward true understanding rather than just reacting (Tasker, n.d.).

2. Sharing Emotions Freely

It can be tough to be truly open with our emotions, but it’s vital for effective communication and a healthy relationship. Try this exercise to work on this skill.

The couple should agree to try this exercise together and follow these instructions:

  • Decide on a specific time and place to put this exercise into practice.
  • Let your partner know what you need to feel safe sharing your feelings, and listen to what your partner needs to feel safe sharing his or her feelings.
  • Be sure to also ask your partner what would make him or her feel more comfortable as you share your feelings, as it can be just as difficult to hear as it is to share.
  • Share with your partner! If it helps, use a timer to limit how much sharing can occur and to ensure equal time to share feelings.
  • Listen to what your partner tells you and discuss what, if any, concrete steps you can take based on the information you’ve both shared. Commit to using the information you gained to improve your communication skills and your relationship in general (Tasker, n.d.).

3. Use Positive Language

Another great exercise from Racheal Tasker is focused on using positive language with one another. It can be surprisingly easy to slide into a pattern of mostly neutral or even negative language with your partner, but you can use this exercise to counter that tendency.

Here’s what to do:

  • Commit to using positive language when you communicate with your partner.
  • Ask your partner to make the same commitment to positive language.
  • Avoid being overly critical or negative when communicating with your partner.
  • Use a positive and encouraging tone when you speak to your partner.
  • Keep an eye on the words you use; try to incorporate words like “love”, “feel”, “appreciate”, and ditch words like “fault”, “never”, and “hate” (e.g., “I hate it when you do X!”).

As partners continue to practice this exercise on a regular basis, they will find that their communication style grows more positive with less effort, and their relationship will flourish (Tasker, n.d.).

4. Take a Trip Together

There’s nothing like traveling with someone to work on your communication skills! Making a trip successful requires tons of communication, coordination, and clear expectations, but it can also open you up to fun new experiences and relaxation. To practice communicating with your partner, try planning and taking a trip together.

Plan your trip with a focus on doing things you both like, going to a place you’d both like to visit, and trying new food, activities, and other experiences together. Getting out of your routine and into a novel environment can do wonders for your communication—not to mention your overall mood.

Use some of the other tips and techniques mentioned in this article when you are planning your trip and while you are enjoying your trip; you’re sure to see some improvements to your communication with your partner (Tasker, n.d.).

5. I Feel (Blank)

The final exercise from Tasker is called “I Feel _____” and it’s a simple one.

We often have trouble sharing our feelings, even (or especially) with those we are closest to. A great way to work on communicating your feelings more often—and more effectively—is to practice saying “I feel (blank).”

The next time you are experiencing strong emotions or discussing a sensitive or difficult subject with your partner, try beginning your sentences with “I feel…” and continue from there. So, if you’re upset with your partner for forgetting about an important appointment or canceling plans at the last minute, instead of saying “You don’t respect my time,” try “I feel like you don’t respect my time.”

Framing your discussion in this manner—as a statement of your feelings rather than a personal attack or blaming session—is not only conducive to greater understanding, it also shows your partner that you care about having a constructive conversation and that your intentions are not to hurt them but to help them see from your perspective.

Communication in the family

According to researchers Peterson and Green (2009), family communication is so important because:

“…it enables members to express their needs, wants, and concerns to each other. Open and honest communication creates an atmosphere that allows family members to express their differences as well as love and admiration for one another.”

The benefits of high-quality communication make spending time on improving the way family members relate to one another a task that is well worth the time spent on it. If you’re interested in working on your communication skills as a family, give the following activities and exercises a try.

These 14 activities are great tools to use in family therapy, but you can also try them at home.

4 Group Exercises for the Family

These four group exercises are a great introduction to communication skill-building as a family. They’re fun, engaging, and good for all ages!

1. What If?

The best time to work on communication skills is when families take the time to just sit and relax together. This simple game is a great way to do that, allowing families to improve how they communicate with one another while laughing together and putting their imagination to good use.

You will need strips of paper, a pencil or pen for each family member, and two bowls.

  • Get two slips of paper and something to write with for each family member.
  • On the first slip, have each family member write a question off the top of his or her head; it can be silly, serious, or anywhere in between. Put all the questions in one of the bowls and give them a good mix.
  • On the second slip of paper, have each family member write an answer to the question they came up with. Place these slips in the second bowl and mix them up.
  • Pass each bowl around the room and have each family member take one question slip and one answer slip.
  • Have each family member read the question and the answer that they have in their hand. The questions and answers might fit well together or they may result in absurd combinations!
  • Continue the game with two more slips of blank paper. It may take a few rounds for everyone to get the hang of the game, but family members will get more comfortable with the game and enjoy it more as they go along.

Use the following questions to guide your discussion as a family:

  • Did the activity spark your imagination?
  • Why did the questions and answers get funnier after several rounds?

2. Expressing Individuality

Although families usually share values, norms, and beliefs, that doesn’t mean all family members will see things the same way. It can be hard for some family members to communicate their thoughts and feelings when they feel like the odd one out or a “black sheep” in the family.

To make sure your family is a safe space for everyone to share their thoughts and feelings, give the “Expressing Individuality” activity a try. It will help each family member understand that they are a valuable part of the family and that they are always free to share their unique perspective.

You’ll need about an hour for this activity, 15 minutes to make the dough and 45 minutes for the activity itself. Use one of the recipes below to make your own play dough as a family.

If you want to make reusable play dough, mix together:

  • 1 cup flour
  • 1 cup water (add food coloring to water if you want colored clay)
  • 1 teaspoon cream of tartar
  • 1 tablespoon oil

After mixing these ingredients together, put over low heat and stir slowly. When the dough has formed into a small ball, remove it from the heat and knead while still warm. Store the clay in a sealed container.

If you plan on baking your designs at the end of this activity to preserve them, mix together:

  • ½ cup water
  • Food coloring (if desired—you can also paint the figures after you bake them)

Follow these instructions to encourage each family member to express their individuality:

  • If you love Boy Scouts, you may want to mold the image of a person sitting on a log by a campfire.
  • If you received an award as the “Employee of the Month,” you may want to mold the image of something that represents hard work, or dependability.
  • If friendliness is a personal characteristic that you value, you may want to mold a face with a pleasant smile, or if you have a great love for animals, you may want to mold several of your favorite animals.
  • After creating your unique design, you can preserve it by placing it on a cookie sheet and baking it in the oven on warm for several hours (until hard). This will harden the clay hard so that it maintains its shape. If you did not use food coloring to color the clay, or if you like to paint, you could paint the hardened figure. Once everyone has completed a mold, display these molds in the home.

To continue working on communicating your individuality as a family, ask these questions and discuss your answers together:

  • Why did you choose to make what you did?
  • What does it mean to you?

If the idea of creating a figure out of play dough doesn’t appeal to you, you can also try these two alternatives:

  • You could draw pictures using plain white paper and colored pencils/crayons. Drawing may allow you to express more ideas than if you use clay. Make sure that you do not place an emphasis on artistic abilities. It is okay to draw simple stick figures that represent people or other objects.
  • You could cut pictures out of old magazines and paste them on a poster board. After each person has completed a mold, picture, or collage, allow each family member to explain how their collage, picture or mold represents them.

3. Hints of Anger

Anger is a normal human emotion, and we will all get angry at some point. Instead of trying to avoid or deny anger, it’s vital that families learn how to manage their anger and communicate it to others in a healthy way. This activity will help family members identify their anger cues (the signs that indicate they are getting angry) and help them regulate their emotions to ensure they don’t say or do something they will regret.

Here’s how to do this activity as a family:

  • Tell family members to think about a time when they were angry or upset, and consider how they felt.
  • Were your hands relaxed or clenched in a fist?
  • Was your heart rate normal or beating fast?
  • Were your muscles relaxed or tight with tension?
  • What kind of thoughts was going through your head?
  • As a family, discuss any discrepancies between what you think about your anger cues and what other family members think.
  • How did your body feel during this period of time?
  • In which scenario did you feel more comfortable, angry, or happy?
  • Discuss the importance of knowing when you are getting upset and might need to take a break and think.

After the activity, discuss these questions as a family:

  • Why is it important to recognize the signs that you are angry?
  • Why is it important to control your anger?
  • What do you feel like specifically, when you are upset?
  • What are the things you are going to do to manage your anger so it does not hurt your family relationships?
  • Can recognizing anger cues help in managing your anger?

4. Family Meetings

Family meetings are a good idea for a lot of reasons, but yet another benefit of these get-togethers is the potential for building and developing better communication skills as a family. Regular family meetings can help family members learn how to:

  • Make joint decisions
  • Plan together
  • Accept responsibility
  • Show concern for others
  • Spend some quality time together

Pick one night of the week when your family can consistently get together for a weekly family meeting that lasts 30 to 60 minutes, and make sure it’s scheduled on everyone’s calendar.

Here’s how to conduct good family meetings:

  • Set a regular time. Setting a regular time and place gives the family council a position of importance and results in it becoming a permanent part of family operations. If everyone knows that the family is meeting together regularly, they find that most problems can wait a few days to be discussed. For this reason, some families like weekly meetings.
  • Use an agenda. Post a paper during the week where family members can list concerns they want brought up (possibly, the message center). Discuss things in the order listed. This also reduces problems between meetings when parents can say, “List it on the agenda and we’ll discuss it at the meeting.”
  • Attendance is voluntary . All members of the family are invited to attend — but attendance is voluntary. However, if a member is not present, he/she is still expected to abide by any decisions made by the family council.
  • Each person has an equal voice . Everyone should be encouraged to contribute ideas and suggestions. All members must be treated the same, regardless of age. Using the steps of negotiation to (1) introduce the problem, (2) discuss solutions, and (3) vote on a solution. This gives everyone a chance to be involved. Councils do not always run smoothly. Teenagers are often suspicious that the new program is just another way for parents to gain compliance with their demands. In the first council meetings, rebelliousness may be exhibited to deliberately test whether parents are sincere about including them in family decision-making.
  • Use rules of order . If participation is to be equal, then some type of order must be maintained. If a person has the right to express himself, then he also has the right to be heard — which implies that others have the obligation to listen. Rules of order help this situation.
  • Rotate chairmanship . If the same person conducts all meetings, that person eventually begins to assume an air of superiority. To help maintain a feeling of equality, family members should take turns conducting the councils. This allows each person to experience the privileges and the responsibilities of this position.
  • Accentuate solutions . Family council should not be “just a gripe session” — a time to get together and complain. In order to prevent this, you may decide that the person presenting a problem must also suggest one possible solution. Family members could then discuss alternate solutions or modify the one presented. In practice, some solutions do not work as well as anticipated. As family members begin to live with a decision, they may decide it needs to be changed. This change, however, must wait until the next regular meeting. Children soon recognize a need for better solutions and they learn by experience to make wiser choices. When family council is held regularly, each member learns to project ahead and anticipate problems. When this occurs, the emphasis at council meetings shifts from problem-solving to problem prevention and planning. Family council can also be a time to plan fun things like vacations or family outings. Families can talk about different places to visit and how they want to spend the time available.
  • Decide on the authority level . The family council can be the final authority for the family, or a family can have a modified version of decision making. For it to be effective, however, most decisions made by the council need to be binding. If parents always overrule the council, children will soon lose interest.
  • Keep a record . There sometimes develops a difference of opinions as to who conducted the last meeting, what matters were discussed, and what plans were agreed upon. For this reason, a secretary to record minutes is most helpful. The secretary can rotate with each meeting.

After your first family meeting, discuss these questions as a family:

  • How did your first family meeting go?
  • What about the meeting was good? What was bad?
  • What do you want to incorporate in future meetings?

4 Active Listening Exercises

Active listening is a vital part of communication and can greatly improve relationships between family members. These four active listening exercises are a great way to boost your skills.

1. Precision Communication

Another activity that can help your family build and continue to develop good communication skills is called “Precision Communication.” It’s focused on active listening, which is a vital part of communication and conducive to better understanding and stronger, healthier relationships.

Here’s how to put this activity into practice:

  • Set up a maze in your home using furniture, such as kitchen chairs or other pieces of furniture that can act as a barrier.
  • Tie string or yarn between the furniture to create a clear path through the maze.
  • Select a family member that will try to walk through the maze blindfolded. This person must not see the maze prior to being blindfolded.
  • Have someone give voice instructions so the family member can be directed through the maze.

This activity’s aim is to see if the family member giving instructions can help the blindfolded family member get through the maze without bumping into the furniture, walls, or string. This means that not only must the speaking family member communicate clear and detailed instructions, but the blindfolded family member must also use their active listening skills to receive the instructions and implement them effectively.

Use these discussion questions to debrief and maximize this learning opportunity:

  • Why was clear detailed communication necessary for this exercise?
  • How important was it to listen carefully to the one giving instructions? Why?
  • What were some of the difficulties associated with helping a family member complete this exercise?
  • Using some of the ideas from this exercise, how can you, as a family, improve your communication skills?

If you want more from this activity, try this follow-up:

Draw a simple picture or pattern on a piece of paper. Without letting family members see the diagram, tell them what they need to do to make a copy of your picture that matches as closely as possible. After giving detailed instructions, see how accurately the pictures match up.

2. End of the Word—Beginning of the Next

This is a fun game on the Encourage Play website that can keep your kids actively engaged in building their listening skills.

Here’s how to play:

  • One person (probably an adult) starts the game by giving out one word—it can be any word, it just needs to be one that every family member knows how to spell.
  • The next family member must listen to the word the previous person said, then come up with a word that starts with the letter the last word ended with.

This is an easy game to play since you don’t need any materials, just a few minutes and the ability to hear one another! That makes it a great game for car rides, waiting in restaurants, or standing in a long line. To make it more challenging, give it a bit of complexity by limiting the words to a category, like animals or cities.

3. Red Light Green Light

Another exercise from the Encourage Play website is a familiar one. It’s based on the classic “Red Light, Green Light” game in which the leader gives instructions by color: saying “red light” means stop and saying “green light” means go.

To make the game a bit more challenging and really emphasize the importance of active listening, incorporate these three variations to the game:

  • Different colors refer to different types of movement; for example, yellow light could mean skipping, purple light could mean crab walking, and blue light could mean hopping.
  • Pretend to be a different animal for different colors (yellow = lion, green = bunny, purple = frog, etc.).
  • Use words that rhyme with red or green to see if the players catch the difference (e.g., “Bread Light! Teen Light!”).

4. Tell a Group Story

Group stories are a great way to practice active listening with the whole family. It also gives kids a chance to be creative and silly, which helps to keep them engaged in the activity.

  • The first person (probably an adult) starts a story with just one sentence (e.g., “Once upon a time, there was a very curious brown bunny”).
  • The next person adds onto the story with just one sentence as well (e.g., “This bunny lived with her mother and father in a cozy little burrow under a willow tree”).
  • The story continues until everyone has contributed at least a couple of sentences to the story.

This activity boosts active listening skills because it requires careful and attentive listening to what has already been said in order to make a good contribution to the story.

3 Assertive Communication Exercises

One of the best skills to teach your kids is how to be assertive instead of aggressive or passive (or passive-aggressive). Use these three assertive communication activities to help them learn this important skill.

1. Assertive Communication Worksheet

This worksheet is a great way to help older kids understand the difference between types of communication and to learn how to communicate assertively.

The worksheet first provides a good working definition of assertive communication:

“A communication style in which a person stands up for their own needs and wants, while also taking into consideration the needs and wants of others, without behaving passively or aggressively.”

It also outlines the traits of people who are assertive communicators, including:

  • Clearly state needs and wants
  • Eye contact
  • Listens to others without interruption
  • Appropriate speaking volume
  • Steady tone of voice
  • Confident body language

Next, it shares four tips on communicating assertively:

  • Respect yourself—your wants and needs are as important as everyone else’s.
  • Express your thought and feelings calmly rather than using the silent treatment or yelling and threatening.
  • Plan out what you’re going to say before you say it.
  • Say “no” when you need to, say it clearly, and do it without lying.

After some examples of assertive communication, we get to the active part of the worksheet. It’s geared toward adults, but the scenarios can be tweaked to fit kids as well.

There are four situations presented and space to write out your own assertive response to each. These situations are:

  • Your partner says, “ I know you have plans for the weekend, but I really need you to watch the kids. I have a friend coming to town, and we made plans .”
  • Situation: You’ve just received your food at a restaurant, and it was prepared incorrectly. Your sandwich seems to have extra mayo, instead of no mayo.
  • Your friend says, “ Hey, can I borrow some money? I want to buy these shoes, but I left my wallet at home. I’ll pay you back soon, I swear. It won’t be like last time .”
  • Situation: Your neighbor is adding an expansion to their house, and the crew starts working, very loudly, at 5 am. It has woken you up every day for a week.

Working through these scenarios as a family can help your kids see what healthy assertive communication looks like and show them that it’s okay to say “no” sometimes.

2. The Aggressive Alligator

The Aggressive Alligator is a great tool from Kristina Marcelli-Sargent, for teaching assertiveness over-aggressiveness or passiveness. It makes what can be a dry and boring subject more interesting and engaging.

Start by giving simple definitions to the terms “passive,” “aggressive,” and “assertive.” Next, show them a list of animals or a bin of small stuffed animals and allow them to choose an animal that they feel represents each definition. The aggressive animal doesn’t need to be an alligator, it can be anything that makes sense to your children.

After your kids have chosen an animal for each term, describe some social situations and instruct your kids to act them out with their animals. Each animal should act according to the definition it represents (e.g., the aggressive alligator should act aggressively, the passive panda should act passively, and the assertive anteater should act assertively).

Once all scenarios have been acted out, talk to your kids about how the outcomes differed between the three animals. Point out which one(s) resulted in a positive outcome and which one(s) should probably be avoided. In the future, you can refer back to the assertive anteater to remind your kids to be assertive instead of passive or aggressive (Sargent, 2015).

3. Keeping Cool

A great lesson for kids to learn is that assertive communication is about being firm and direct without being angry or upset. This activity will help you teach healthy assertiveness to your kids or students.

Here’s how to go about it:

  • First, ask your kids how people might feel when they are bullied. If they have trouble coming up with answers, talk about how people might feel angry, scared, sad, upset, embarrassed, or confused.
  • Next, ask your kids what kinds of things people want to do when they feel this way. If they can’t think of things people might do when they feel upset, angry, or sad, mention that they might yell, throw something, hit something, hide, cry, or do something else to make another person feel as bad as they feel.
  • Ask your kids if they think these are good or helpful things to do. Explain how everyone has strong, negative feelings like this sometimes, and that it’s okay to feel them. These feelings have a purpose; they tell us that something is wrong or that something needs to be fixed, but they can also encourage us to do the wrong thing unless we learn how to keep a cool head.
  • Close your eyes and take several slow deep breaths
  • Count to ten
  • Relax the muscles in your face and body
  • Talk silently to yourself and repeat a soothing phrase, such as “Keep calm” or “I control my feelings”
  • Get a drink of water
  • Go sit by a person you trust

Discuss these options with the whole group and decide together on what the best techniques are, then practice using them together.

3 Nonverbal Communication Exercises

Finally, although verbal communication is generally the focus of skill-building exercises and activities, nonverbal communication is also a vital skill to develop.

Use these 3 exercises to help your kids build their nonverbal skills.

1. Understanding Non-Verbal Communication

Things like tone of voice, facial expressions, body posture, and hand gestures are all non-verbal, but they are hugely important in our communication with others. If we say one thing with our words and another with our face or body, we can end up giving mixed messages and confusing others.

To make sure we are saying what we want to say with our words and our face, body, and tone, help your kids learn how to understand and “speak” non-verbal communications.

Here’s s description of this activity:

“As a family, make a list of different non-verbal actions. For example, folding your arms, snorting, frowning, etc… Select a TV program or a segment of a video. Watch about 5 to 7 minutes of the program with the volume off. While watching the program without volume, identify the different non-verbal messages, especially the feelings that are expressed. After 5 to 7 minutes, turn off the TV and discuss what you observed. You could even carry on the discussion as the program continues.”

To get the discussion started, use questions like:

  • What were the non-verbal messages that you observed?
  • How important do you think the non-verbal messages are in helping you to enjoy the movie and understand what was going on in the movie?
  • Did you observe any confusing non-verbal messages?
  • What feelings were expressed through non-verbal communication?
  • What were some of the difficulties of this activity?
  • What can you do to be more aware of non-verbal messages?
  • Did everyone think the non-verbal message meant the same thing?
  • Are non-verbal messages always obvious in real life?

If you want more from this exercise, try this follow-up activity. Seat two family members away from each other and have them carry on a conversation about giving directions to somewhere or explaining how to do something. As they talk, they should focus on trying to understand the other person’s feelings.

After doing this for a few minutes, the two should turn around, face each other, and continue the discussion—they will likely find it much easier!

Use the following questions to guide your discussion after the follow-up:

  • When you had your backs to each other, did a lack of non-verbal communication affect your ability to communicate with the other person? If so, how?
  • What feelings did you experience as you communicated with your back to the other person?
  • When you spoke to the other person face-to-face, did this improve your ability to communicate and understand the other person’s feelings? If so, how?
  • Did face-to-face communication improve your ability to understand the other person’s feelings?
  • How can you increase your awareness of non-verbal messages you do not mean to be sending?
  • How can you be aware of how we may misinterpret someone else’s non-verbal messages?”

2. Charades

Charades is a popular game with kids since it’s fun, easy to play, and can result in some seriously silly situations.

Here’s what you need to do:

  • Animals: Monkey, dog, cat, rabbit, kangaroo, snake
  • Activities: brushing teeth, playing cards, shining a flashlight, fishing, playing frisbee
  • Emotions: scared, sad, bored, angry, happy, wary, proud

Acting out these prompts will give kids an opportunity to practice communicating non-verbally, a skill that they can easily build over time (Simmons, n.d.).

3. Silent Snack

Finally, another activity from Sue Simmons is called “ Silent Snack ” and it gives young children a chance to have fun while building their nonverbal communication skills.

Follow these instructions to give it a try:

  • Put out a few different snacks in individual bowls.
  • Tell everyone it’s “Silent Snack Time,” meaning there’s no talking allowed!
  • Offer each person a taste of each snack.
  • Each player should take turns sharing their opinion on each snack. They can use indicators like thumbs up and thumbs down or facial expressions to communicate their opinions.

It’s a simple activity, but an effective one! Give it a try at your next snack time.

Teamwork Skills: Being an Effective Group Member

For groups to function effectively, it's important for students to think critically about the climate within their group and the process by which they accomplish their tasks. Although students can gain many of the skills described below through ad hoc interactions, instructors play a key role in making them explicit protocols.

To hone these skills, students need opportunities to practice and to receive regular feedback. Consider sharing the information below with your students, structure activities for them, and incorporate three components of feedback into your plan: instructor comments (oral and/or written); reflective group discussions and/or peer assessment; and self-reflection (see the reflection prompts in Appendix A for ideas). 

Communication skills 

To function successfully in a group, students need to be able to communicate clearly on intellectual and emotional levels. Effective communicators should be able to: 

  • Explain their own ideas; 
  • Express their feelings in an open but non-threatening way; 
  • Listen carefully to others; 
  • Ask questions to clarify others’ ideas and emotions; 
  • Sense how others feel based on their nonverbal communication (e.g., facial expressions, tone of voice, diminished participation);
  • Initiate conversations about the group climate or process if they sense tensions brewing; 
  • Reflect on their group's activities and interactions and encourage other group members to do so. 

Regular open communication, in which group members share their thoughts, ideas, and feelings, is key for successful group work. Unspoken assumptions and issues can be harmful to productive group functioning. Students’ ability to communicate openly with one another can help foster a healthy group climate and process. 

Skills for a healthy group climate 

To work together successfully, group members must demonstrate a sense of cohesion. cohesion emerges as group members: .

  • Get to know one another, particularly those with different interests and backgrounds. They are open to innovative ideas and diverse viewpoints. They also listen to others and elicit their ideas. They know how to balance the need for cohesion within a group with the need for individual expression. 
  • Trust one another enough to share their own ideas and feelings. A sense of mutual trust develops only to the extent that everyone is willing to self-disclose and be honest yet respectful. Trust also grows as group members demonstrate personal accountability for the tasks they have been assigned. 
  • Demonstrate support for one another as they accomplish their goals. They cheer on the group and support members individually. They view one another not as competitors but as collaborators: everyone in the group can and should have a role by which they contribute.
  • Communicate their opinions in a way that respects others, focusing on “What can we learn?” rather than “Who is to blame?” 

As an instructor, you can use several strategies to encourage students to develop a healthy group climate: 

  • Randomize group membership to increase the chances of students encountering peers with diverse backgrounds and interests. 
  • Design icebreaker activities that promote awareness and appreciation of inherent differences within a group. 
  • Walk students through effective strategies for identifying and overcoming group conflict.  
  • Encourage students to participate actively and pose questions to their peers. To encourage listening skills and ensure that everyone in the group speaks, try the “circle of voices” exercise. See the CTE Teaching Tip: Group Work in the Classroom: Types of Small Groups . 
  • Devote class time to help students reflect on their group dynamic and overall functioning. You can provide them with prompt questions to consider and/or facilitate a conversation driven by student insights, questions, and concerns. 

Skills for an effective group process 

In addition to knowing how to develop a healthy group climate, students need to exercise key skills to contribute to an effective group process. This process emerges when students: 

  • Agree on what needs to be done and by whom. Each student then determines what they need to do and takes responsibility to complete the task(s). They can be held accountable for their tasks, and they hold others accountable for theirs. 
  • Give and receive feedback about group ideas. Giving constructive feedback requires focusing on ideas and behaviours instead of individuals and offering suggestions for improvement. Receiving feedback requires the ability to listen well, ask for clarification if the comment is unclear, and being open to change and to other ideas. 
  • Help the group to develop and use central strategies to move toward their group goals. As such, they can facilitate group decision making and manage group conflict in a productive way, rather than approaching the instructor for guidance as the first step.  
  • Know how to plan and manage a task, how to manage their time, and how to run a meeting. For example, they ensure meeting goals are set, an agenda is created and followed, and everyone can participate. They stay focused on the task and help others to do so, too. 
  • Know which roles can be filled within a group (e.g., facilitator, idea-generator, summarizer, evaluator, mediator, encourager, recorder) and are aware of which role(s) they and others are best suited for. They are also willing to rotate roles to maximize their own and others’ group learning experience. 

As an instructor, use some of these strategies to help students develop an effective process within their groups: 

  • Design the group task so that the students must rely on one another to produce their best work. Group members will be more motivated and committed to working together if they are given a group mark. If you choose to evaluate in this way, be sure to make your expectations extremely clear. See the CTE Teaching Tip: Methods for Assessing Group Work for additional ideas. 
  • Invite students to develop a group contract in which they articulate ground rules and group goals. See the CTE Teaching Tip Making Group Contracts for details. Be sure that groups discuss how they will respond to various scenarios such as absent or late group members and those who do not complete their assigned tasks. 
  • Distribute a list of decision-making methods and strategies for conflict resolution and facilitate a conversation with students about these resources in class. The CTE Teaching Tip: Group Decision Making is a good place to start. You may also want to offer yourself as an impartial arbitrator in emergency situations but encourage students to work out problems among themselves. 
  • Provide students with guidelines for running a meeting, such as setting and following an agenda, specifying time limits, and monitoring progress on the agenda. Consult CTE Teaching Tip: Meeting Strategies to Help Prepare Students for Group Work for additional suggestions. 
  • Teach students effective methods for giving and receiving feedback and explain the purpose of feedback in your course. For sample methods, see CTE Teaching Tip: Receiving and Giving Effective Feedback . Create an assignment that involves them giving feedback to group members and make it part of their final grade. 
  • Help students recognize and make the most of their own and one another’s preferred roles. Outline with them a list of team roles (see the CTE Teaching Tip: Group Roles for examples), have them determine which role(s) suits them best, and give them time to discuss how their role(s) will complement those of other group members. Asking students to rotate their roles helps them to expand their skillset. 

Appendix A: Encouraging self-awareness and reflection in group work 

One of the most important things you can do as an instructor is to have students reflect regularly on their group experiences. Their self-reflection will reinforce and further develop critical teamwork skills. Based on your objectives for the group project, create a set of prompts using the questions below. Have students use these prompts to journal about their reactions to group climate and process. The journals encourage self-reflection and can help students see teamwork issues in new ways and create ideas for resolution. They can also provide a good basis from which students can choose comments to share with their group members in debriefing sessions.

If students submit their journals periodically throughout the term, give them feedback orally or in writing, and to the extent appropriate, discuss any trends that you have identified through observation or in the journals (remember to reassure students that other groups may be facing similar challenges). Also, requiring all students to submit a final reflective report after the group project can help them to see the value of the teamwork expertise they have developed through practice. 

  • What have you enjoyed the most/the least about getting to know your group members? 
  • How is your attitude towards your group members demonstrated in how you function within the group? 
  • How do you demonstrate trust and openness towards the other members and their ideas? 
  • How much do you feel you can rely on your group members to complete the required task(s)? 
  • How do you make sure that group members feel supported, encouraged, and appreciated for their work? 
  • How does the team ensure that all voices are heard? 
  • Do you participate willingly in discussions? If not, why not? 
  • Do others appear to understand your ideas? If not, why not? 
  • What do you do if another person’s ideas are unclear? 
  • What do you focus on when others speak? How could you improve your listening skills? 
  • How do you respond to others’ ideas? How do they respond to yours? What could be improved? 
  • What are your group’s ground rules and goals? What changes to these rules and goals might improve the functioning of your group? 
  • How is everyone encouraged to stay accountable for the tasks they have been assigned? 
  • To what extent do you and others follow the feedback methods laid out in class? How could you and your group members improve the way you give and receive feedback? 
  • To what extent does your group reflect on how well its goals are being achieved? How would more (or less) discussion about goals help or hinder your group’s functioning? 
  • How are decisions made in your group? Who is involved and in which ways? What has been effective about the processes you have used? How could your decision-making processes be improved? 
  • What happens if a group member is unhappy or uncomfortable with a decision made by the group? 
  • What conflicts have arisen within your group? How (if at all) have the conflicts been resolved? What role do you play in resolving these conflicts? What could you (or others) do to improve your group’s ability to deal productively with conflict? 
  • How do your meetings typically proceed? What do you accomplish and in how much time? What is effective about your group functioning during meetings? What changes would improve your meetings? 
  • Who has emerged as the leader in your group? Which other roles do you see team members playing? Which role(s) do you play? Which role do you prefer and why?

Annual skilled trades competition builds technical and professional skills for Iowa students

Southeast Polk senior Simon Frohock (R) competed in the cabinet making contest for a second year.

High-quality career and professional skill development took center stage last week as over 600 high school and college students took part in the annual SkillsUSA State Leadership and Skills Conference . Held in Ankeny at the Des Moines Area Community College campus, this two-day competition featured over 50 different leadership and technical competitions for students to test their technical skills and knowledge, explore career pathways and make valuable connections with local industry leaders.

Southeast Polk High School seniors Delvis Kouete and Simon Frohock, both 17, were well-prepared for the competition, which featured timed activities related to industrial technology, carpentry, robotics, automotive repair and job interview techniques, among many others. For this year’s skills competition, Delvis competed in architectural drafting and was a member of the school’s quiz bowl team. Simon, the 2023 state champion in cabinet making, returned for a second year in the cabinet making contest. Both students competed well in their individual competitions, with Delvis placing fifth and Simon serving as this year’s runner-up.

“The skills competition can help you strive for excellence in your work and learning,” Simon said. “Even though it’s a competition and there is pressure to do well, it’s a good, low-risk way to see what an employee in this work has to do every day.”

Both Simon and Delvis noted that the competition not only helps to strengthen a student’s technical skills, but it also engages students in career pathway discovery and professional skill development.

“Being a part of SkillsUSA and competing in the skills competition has helped me learn new skills with my hands and work on teamwork, communication and leadership skills,” Delvis said. “You learn how to work with other people that aren’t like you and get your mind thinking about your future career.”

Along with the individual contests, all competitors at the SkillsUSA State Leadership and Skills Conference were required to submit a resume and take a professional development test that focused on workplace, professional and technical skills as well as overall knowledge of SkillsUSA.

“SkillsUSA helps provide real-world context to the content being taught by classroom educators,” said Kent Storm, state director for SkillsUSA Iowa. “Taking the learning beyond the classroom allows students to grow and learn next to industry partners and gain valuable experience."

As one of Iowa’s career and technical student organizations (CTSO) , SkillsUSA champions the skilled trades industry and provides opportunities for students to apply the skills they have developed in classrooms through conferences, competitions, community service events, worksite visits and other activities.

“Participation in a CTSO like SkillsUSA helps students gain hands-on experience and connect classroom curricula to careers,” said Cale Hutchings, education consultant at the Iowa Department of Education. “Through CTSOs, students can become leaders and strengthen their employability skills, which is valuable as they explore potential next steps in their college and career pathways.”

SkillsUSA boasts a roster of over 400,000 members nationwide. In Iowa, over 1,300 students and advisers in career and technical education programs participate in local SkillsUSA chapters.

At Southeast Polk, 21 student members are a part of their SkillsUSA chapter. Led by industrial technology teachers and chapter advisers Ryan Andersen and Brett Rickabaugh, the students have been involved with several community service projects, employer presentations and opportunities to work closely with instructors.

“Any time a student participates in SkillsUSA, it gives us more time with that student to elaborate on what we’ve learned in class,” Andersen said. “They can connect the idea to the planning, design and completion of a project and how that activity fits into a real career. That’s something we can’t replicate without a CTSO.”

Anderson also stated that students who participate in SkillsUSA and activities like the State Leadership and Skills Conference build confidence through their experiences.

“It really helps students to have the confidence to rely on their skills and what they know,” he said. “The skills competition requires them to use problem-solving skills and build off their knowledge to continue to learn and persevere.”

This year’s first-place winners at the SkillsUSA State Leadership and Skills Conference will move onward to compete with 6,000 other students at the national conference in Atlanta this June.

For Simon and Delvis, the skills competition was another step in building necessary skills and acumen for their futures. Simon, with his penchant for cabinet making, already has a full-time job lined up after graduation with a local cabinet shop. Additionally, Delvis would like to pursue something within the computer science field, perhaps in the coding or software engineering areas, and although he is changing fields, he believes SkillsUSA has helped him feel more prepared for the future.

“It has definitely helped me with skill-building and problem-solving,” he said. “What I’ve learned will be beneficial no matter what I decide to do next.”
