What title do you hold after you've defended but before you graduate?

Two friends successfully defended their dissertations yesterday, and many people have congratulated them, calling them Doctor so-and-so. I explained to my wife that they actually don't have that title until the graduation ceremony, that it's similar to a President-elect, who isn't called the President until they are sworn in. So, what title does a doctoral candidate take after they've defended but before they graduate?

There isn't a formal, universally accepted title here. The general standard has been to call them "Doctor" since everything else is in principle a formality.

The only other note that I'd make is that it's not commencement that makes the student in question a doctor, but rather conferral of the degree by the university. Some universities may confer degrees multiple times per year, but only have one commencement ceremony.

So, I would not include "Ph.D." next to my name, but in the education of my CV, I'd write "Ph.D. (to be conferred Month Year )," as that is entirely accurate representation of the state of affairs.

Formally, they don't take a title before the university awards it, and the awarding is usually done by handing out a certificate stating the title (independent of whether that involves a ceremony or not).

In informal situations, it's nice to address them with the title because they are usually happy and proud of their accomplishment, and what remains to be done before they actually get the title is more or less a mere formality. But you shouldn't put any doctoral title on name tags, staff directories, or anything formal like that before they actually get the document.

In most countries "Dr" is an honorific (in Germany I believe it is a legal title and part of your name) that is typically used when referring to individuals that hold certain types of degrees (most doctorates but not all, for example holders of the JD degree are not typically called doctor, and some non doctorate degrees, for example a BMedSci in the UK). As it is an honorific I think it is perfectly reasonable to bestow that honor to someone during a party to celebrate a doctoral defence. Similarly when seeing someone the first time after the defence using doctor is a nice why of honoring them. In some countries one can pass the defence and still need to make substantial revisions. I would use the honorific as long as the person passed.

In non-formal situations I would avoid it, but then again I avoid using the honorific even for people with doctorates. In formal situations where honorifics are being used I would definitely avoid it. I think it would set a bad tone to go to a job talk an allow yourself to be introduced as doctor. In that situation I would deflect the honorific and say "not yet"

In the (British) English Language the correct name for someone who has qualified to graduate but has not yet done so is a graduand .

One could formally say you are a doctoral graduand, but only other academics would understand.

Also, at the ceremonies in British Universities, the point at which you hold the title is when the Chancellor (or similar awarding officer) intones the word "I award upon those students who have qualified the degrees listed in the official record.. etc". Until those words have been said, whatever handshaking and parading has happened, you do not have a degree!

Defending Your Dissertation: A Guide

Dissertation defenses are daunting, and no wonder; it’s not a “dissertation discussion,” or a “dissertation dialogue.” The name alone implies that the dissertation you’ve spent the last x number of years working on is subject to attack. And if you don’t feel trepidation for semantic reasons, you might be nervous because you don’t know what to expect. Our imaginations are great at making The Unknown scarier than reality. The good news is that you’ll find in this newsletter article experts who can shed light on what dissertations defenses are really like, and what you can do to prepare for them.

The first thing you should know is that your defense has already begun. It started the minute you began working on your dissertation— maybe even in some of the classes you took beforehand that helped you formulate your ideas. This, according to Dr. Celeste Atkins, is why it’s so important to identify a good mentor early in graduate school.

“To me,” noted Dr. Atkins, who wrote her dissertation on how sociology faculty from traditionally marginalized backgrounds teach about privilege and inequality, “the most important part of the doctoral journey was finding an advisor who understood and supported what I wanted from my education and who was willing to challenge me and push me, while not delaying me.  I would encourage future PhDs to really take the time to get to know the faculty before choosing an advisor and to make sure that the members of their committee work well together.”

Your advisor will be the one who helps you refine arguments and strengthen your work so that by the time it reaches your dissertation committee, it’s ready. Next comes the writing process, which many students have said was the hardest part of their PhD. I’ve included this section on the writing process because this is where you’ll create all the material you’ll present during your defense, so it’s important to navigate it successfully. The writing process is intellectually grueling, it eats time and energy, and it’s where many students find themselves paddling frantically to avoid languishing in the “All-But-Dissertation” doldrums. The writing process is also likely to encroach on other parts of your life. For instance, Dr. Cynthia Trejo wrote her dissertation on college preparation for Latin American students while caring for a twelve-year-old, two adult children, and her aging parents—in the middle of a pandemic. When I asked Dr. Trejo how she did this, she replied:

“I don’t take the privilege of education for granted. My son knew I got up at 4:00 a.m. every morning, even on weekends, even on holidays; and it’s a blessing that he’s seen that work ethic and that dedication and the end result.”

Importantly, Dr. Trejo also exercised regularly and joined several online writing groups at UArizona. She mobilized her support network— her partner, parents, and even friends from high school to help care for her son.

The challenges you face during the writing process can vary by discipline. Jessika Iwanski is an MD/PhD student who in 2022 defended her dissertation on genetic mutations in sarcomeric proteins that lead to severe, neonatal dilated cardiomyopathy. She described her writing experience as “an intricate process of balancing many things at once with a deadline (defense day) that seems to be creeping up faster and faster— finishing up experiments, drafting the dissertation, preparing your presentation, filling out all the necessary documents for your defense and also, for MD/PhD students, beginning to reintegrate into the clinical world (reviewing your clinical knowledge and skill sets)!”

But no matter what your unique challenges are, writing a dissertation can take a toll on your mental health. Almost every student I spoke with said they saw a therapist and found their sessions enormously helpful. They also looked to the people in their lives for support. Dr. Betsy Labiner, who wrote her dissertation on Interiority, Truth, and Violence in Early Modern Drama, recommended, “Keep your loved ones close! This is so hard – the dissertation lends itself to isolation, especially in the final stages. Plus, a huge number of your family and friends simply won’t understand what you’re going through. But they love you and want to help and are great for getting you out of your head and into a space where you can enjoy life even when you feel like your dissertation is a flaming heap of trash.”

While you might sometimes feel like your dissertation is a flaming heap of trash, remember: a) no it’s not, you brilliant scholar, and b) the best dissertations aren’t necessarily perfect dissertations. According to Dr. Trejo, “The best dissertation is a done dissertation.” So don’t get hung up on perfecting every detail of your work. Think of your dissertation as a long-form assignment that you need to finish in order to move onto the next stage of your career. Many students continue revising after graduation and submit their work for publication or other professional objectives.

When you do finish writing your dissertation, it’s time to schedule your defense and invite friends and family to the part of the exam that’s open to the public. When that moment comes, how do you prepare to present your work and field questions about it?

“I reread my dissertation in full in one sitting,” said Dr. Labiner. “During all my time writing it, I’d never read more than one complete chapter at a time! It was a huge confidence boost to read my work in full and realize that I had produced a compelling, engaging, original argument.”

There are many other ways to prepare: create presentation slides and practice presenting them to friends or alone; think of questions you might be asked and answer them; think about what you want to wear or where you might want to sit (if you’re presenting on Zoom) that might give you a confidence boost. Iwanksi practiced presenting with her mentor and reviewed current papers to anticipate what questions her committee might ask.  If you want to really get in the zone, you can emulate Dr. Labiner and do a full dress rehearsal on Zoom the day before your defense.

But no matter what you do, you’ll still be nervous:

“I had a sense of the logistics, the timing, and so on, but I didn’t really have clear expectations outside of the structure. It was a sort of nebulous three hours in which I expected to be nauseatingly terrified,” recalled Dr. Labiner.

“I expected it to be terrifying, with lots of difficult questions and constructive criticism/comments given,” agreed Iwanski.

“I expected it to be very scary,” said Dr. Trejo.

“I expected it to be like I was on trial, and I’d have to defend myself and prove I deserved a PhD,” said Dr Atkins.

And, eventually, inexorably, it will be time to present.  

“It was actually very enjoyable” said Iwanski. “It was more of a celebration of years of work put into this project—not only by me but by my mentor, colleagues, lab members and collaborators! I felt very supported by all my committee members and, rather than it being a rapid fire of questions, it was more of a scientific discussion amongst colleagues who are passionate about heart disease and muscle biology.”

“I was anxious right when I logged on to the Zoom call for it,” said Dr. Labiner, “but I was blown away by the number of family and friends that showed up to support me. I had invited a lot of people who I didn’t at all think would come, but every single person I invited was there! Having about 40 guests – many of them joining from different states and several from different countries! – made me feel so loved and celebrated that my nerves were steadied very quickly. It also helped me go into ‘teaching mode’ about my work, so it felt like getting to lead a seminar on my most favorite literature.”

“In reality, my dissertation defense was similar to presenting at an academic conference,” said Dr. Atkins. “I went over my research in a practiced and organized way, and I fielded questions from the audience.

“It was a celebration and an important benchmark for me,” said Dr. Trejo. “It was a pretty happy day. Like the punctuation at the end of your sentence: this sentence is done; this journey is done. You can start the next sentence.”

When you’re nearing the end of your graduate program, a critical milestone looms: the thesis defense. This isn’t just a formality; it’s your chance to showcase the depth of your research and knowledge. 

In this post, we explore what is a thesis defense, the process, and how you can do well in it. 

What Is A Thesis Defense?

A thesis defense is a crucial component of completing a graduate degree, where a student presents their research findings to a panel of experts, typically comprising faculty members from their university.

This event marks the culmination of a student’s research efforts and is a formal requirement for obtaining a master’s or PhD degree.

A thesis defense is also quite similar to a dissertation defense. Both involves a student presenting their research to a panel of experts and answering in-depth questions.

The main difference typically lies in the level of study—thesis defenses are common in master’s programs, while dissertation defenses are associated with doctoral studies. Both assess the student’s research rigor and depth of knowledge.

A thesis defense is usually a nerve wrecking experience for many PhD students, but with the right knowledge and preparation, it is usually managable.

Why Must a PhD Student Defend Their Thesis / Dissertation?

There may be doctorate programs that does not require thesis defense, but PhDs generally need to do this. There are several reasons why PhD students must defend their thesis:

Demonstration of Expertise

A thesis defense compels you to consolidate your research into a coherent presentation, showcasing your depth of knowledge and critical thinking skills.

During this oral examination, you answer open-ended questions posed by a committee of faculty members. This is your chance to demonstrate that you are an expert in your field, having moved from a student to a scholar.

Mastery of Subject Matter

The defense process requires that you not only know your study’s details but also how your work fits into the broader field.

Committee members, including your advisor and other professors, will probe your understanding, asking you to justify your methodologies and conclusions.

This is akin to a rigorous job interview where your task is to convince them of your thesis’s merit.

Feedback Opportunity

This is a rare moment to receive direct, critical feedback from multiple seasoned academics. Their insights can profoundly shape the final version of your dissertation, refining your arguments and possibly influencing future research directions.

Thesis defense is a very long process. You start with months, sometimes years, of preparation, writing and completing your thesis.

You will defend your work before a committee usually made up of faculty members from your department, and possibly an external examiner. These are the experts in your field who will rigorously evaluate your research.

The defense itself is a formal yet dynamic process. It begins with you presenting your thesis, often through a detailed PowerPoint presentation. This presentation highlights:

  • the main points of your research,
  • your methodology, and
  • your findings.

Think of it as a summary of your long journey—a chance to argue the significance and validity of your work.

After your presentation, the committee will ask questions. These aren’t just any questions; they are often complex, open-ended queries designed to test how well you understand your research and your ability to think critically under pressure.

You need to demonstrate not just knowledge, but a deep grasp of your topic and related theories.

An interesting twist is that you may be asked to leave the room after your presentation. During this time, the committee deliberates on your performance. They discuss whether you’ve met the high standards required for a PhD and whether your thesis contributes significantly to the field.

This can be a nail-biting time for many students, as the discussion behind closed doors determines the outcome of years of hard work.

If all goes well, they will call you in, and inform you that you have passed your thesis defense. At this point, you may hear yourself being addressed as a ‘Doctor’ for the first time. 

If theres hiccups, you pay still pass, but with corrections. This means you need to perform additional work on your thesis for it to be accepted. In worse cases, you thesis may require major corrections. Some examination panels may also require you to redo your thesis defense.

This is fortunately, not very common. This is because your supervisor would have ensured your work is up to par before submitting your application for thesis defense.

How To Prepare For A Thesis Defense?

Preparing for your thesis defense can be daunting. You’re about to present years of work to a committee that will scrutinize your research and knowledge. Here are ten tips to help you prepare for your thesis defense.

1. Understand the Format: Every university has its own rules for thesis defenses. Check with your advisor or the graduate office to understand exactly what’s expected of you. Whether it involves a public lecture or a closed session with your committee, knowing the format helps you prepare effectively.

2. Focus on the Core Ideas : Resist the temptation to include everything from your dissertation in your presentation. Highlight the most significant findings and methodologies. This approach helps you stay within time limits and keeps your audience engaged.

3. Anticipate Questions : Think about potential gaps in your research that faculty members might target. Prepare slides or notes that can help you answer these tough questions. This foresight can turn a difficult question into a demonstration of your thorough preparation.

4. Rehearse Extensively : Practicing your presentation multiple times is crucial. Try to simulate the defense environment as closely as possible, ideally in the actual room where you’ll present. This rehearsal will make you more comfortable and fluent during the actual defense.

5. Prepare Visually Clear Slides : Your slides should aid your presentation, not confuse the audience. Ensure they are clear, visually appealing, and free of clutter. Use diagrams, charts, and bullet points to effectively convey complex information.

6. Dress Professionally : First impressions matter. Dressing professionally respects the formality of the occasion and can also boost your confidence. A business suit is often the go to for most candidates, although some universities may be more relaxed on the dress code.

7. Create Backup Slides : Have additional slides prepared for deeper dives into specific topics. These are particularly useful if a committee member asks a detailed question about a particular point or method.

8. Know Your Committee : Research the interests and work of your committee members. This knowledge can help you anticipate the kinds of questions they might ask and prepare more targeted responses.

9. Stay Calm and Collected : Remember that defense is not just an examination but also an opportunity to showcase your work. If you don’t know an answer, it’s okay to admit this and suggest how you might find it out. This shows honesty and a willingness to learn.

10. View It as a Professional Dialogue : Approach your defense as a professional discussion rather than an interrogation. This mindset can change how you perceive the event, reducing stress and helping you engage more openly with your committee.

Defending your doctoral thesis: the PhD viva

Format for defending a doctoral thesis.

Every institution will have specific regulations for the thesis defence. In some countries or institutions, the convention is for thesis defences to be public events where you will give a lecture explaining your research, followed by a discussion with a panel of examiners (opponents). Both your examiners and the audience are able to ask questions.

In other countries, including the UK, the oral examination is usually conducted behind closed doors by at least two examiners, usually with at least one being from another institution (external examiner) and an expert in your topic of research. In the UK the supervisor does not participate in the viva, but may be allowed to observe. Sometimes someone from your own institution is appointed as an independent chair. Although it is now becoming more common for the candidate to have an opportunity to give a public lecture in UK institutions, this does not form part of the examination and may or may not be attended by the examiners.

Viva preparation

Take the preparation for your viva seriously and devote a substantial amount of time to it. The viva preparation checklist may be useful to help you prepare.

Your institution may offer courses on viva preparation and there may be opportunities to organise a practice viva. Take advantage of these opportunities: they can be extremely valuable experiences.

Things you may wish to take with you

  • your thesis – mildly annotated if you wish
  • a list of questions that you might be asked and your planned responses
  • any questions that you want to ask your examiners
  • additional notes which you have made during your revision
  • list of minor corrections that you have come across during your revision.

During the viva

Your study will have strengths and weaknesses: it is essential that you are prepared to discuss both. You could think of any weaknesses as an opportunity to demonstrate your skill at critical appraisal. Examiners will seek to find and discuss weaknesses in all theses. Do not interpret criticism as indication of a possible negative outcome.

Examiners have different personalities, styles and levels of experience. Sometimes a candidate may feel that a challenge is made in a confrontational way. Experienced, effective examiners will not be inappropriately confrontational, but some will. Do not take offence. A relaxed, thoughtful, and non-confrontational response from you will help re-balance the discussion. Having an independent chair can help maintain a constructive environment.

Useful tips for during your viva:

  • Ask for clarification of ambiguous questions or ask for the question to be repeated if necessary
  • Take time to think before answering
  • Be prepared to ask questions and enter into a dialogue with your examiners
  • Be prepared to discuss your research in context of other work done in your field
  • Be ready to admit if you don't know the answer to a question
  • Be prepared to express opinions of your own

You are not expected to have perfect recall of your thesis and everything that you have read and done. If you get flustered, or need to refer to notes your examiners will understand. They have been in your situation themselves!

After your viva

There are several possible outcomes   of a thesis defence. Most commonly, your examiners will recommend to your institution that you are awarded your degree subject to minor corrections, although in some instances they might ask for more substantial work.

How to Prepare for Your Dissertation Defense

After years of research and study, you’ve finally reached the grand finale of your PhD years: your dissertation defense. Since defending your dissertation is the culmination of all your hard work, it’s essential to do everything you can to prepare for it.

In this post, we’ll take you through how to ready yourself for your dissertation defense so you can focus on your accomplishments and excel during this crucial professional moment.

What is a Dissertation Defense? 

The dissertation defense is the crowning moment of years of research – the final examination before a PhD student is awarded their doctoral degree.

During a dissertation defense, the student presents their research, methodology, findings, and conclusions to a committee of faculty members and experts in their field. The committee then engages in a question-and-answer session to assess the student’s understanding of the subject matter, the quality of their research, and their ability to defend their work under scrutiny.

Many PhD students consider it to be the defining moment of their academic career and their chance to prove their expertise in their chosen research field.

If all this sounds overwhelming – don’t worry. If you’re a PhD student, you’ll have plenty of time and opportunity to adequately prepare for your dissertation defense. Below are some strategies to help you get ready for this significant occasion in your career.

1.   Know the Requirements

Familiarize yourself with your institution’s guidelines and requirements for the defense process. Understanding the format, time limit, and expectations for the presentation will help you to prepare your material and anticipate any issues.

2.   Review Your Dissertation

Even if you think you know it inside and out, review your dissertation from beginning to end. It may have been some time since you’ve last read and considered certain portions of your research and findings. Consider what your committee might ask about your research questions , data analysis, and conclusions.

3.   Work on Starting Strong

To begin your defense on a strong note, work on creating a clear and engaging introduction. You can start by briefly outlining the purpose of your study, research questions, and methodology . Try to stay on topic and don’t veer off track by discussing unrelated or unnecessary information.

4.   Practice Presenting

Practice your presentation skills by rehearsing your defense multiple times. Focus on clarity and pacing and try to stay within the allotted time limit. It also helps to record yourself so that you can see yourself from your audience’s point of view.

5.   Practice Q&A Sessions

To build your confidence, enlist friends and colleagues to conduct mock question-and-answer sessions. When practicing, remember to pause before answering questions you’re unsure of. It’s better to take your time delivering a response than it is to give an inaccurate or incorrect answer.

6.   Seek Feedback

Find out if your institution offers mock defense sessions where peers or mentors play the role of the committee, ask you questions, and give feedback . You can also have colleagues, mentors, or advisors review your presentation and offer practical feedback.

7.   Create Visual Aids

Think about any visual aids , such as slides, you may want to use to illustrate your defense and prepare them in advance. Be sure to check that your university allows visuals or images and that they enhance, rather than overwhelm, your presentation.

8.   Stay Calm and Confident

It’s natural to feel nervous but try to stay calm and composed during your defense. Take deep breaths and remind yourself of the expertise you’ve gained through the experience of writing your dissertation.

The PhD defence, or viva, is significant academic rite of passage, which as well as marking the culmination of years of study, can also be a highly charged emotional moment.   Drawing on years of collecting accounts of PhD defences on her blog and her recent book (Planning and Passing Your PhD Defence, co-authored with Olga Degtyareva),  Eva Lantsoght , discusses how both PhD students and supervisors can benefit from a more engaged understanding of the emotions underlying the PhD defence. 

In the days leading up to my doctoral defence, I had a recurring nightmare about my supervisor forgetting to show up for my defence. I was well-prepared, and since I was defending in the Netherlands, my thesis was already printed and approved. Failing was virtually impossible. Why then, was I nervous about my doctoral defence to the point of having recurring nightmares?

After eventually passing my doctoral defence, I decided to collect stories about the doctoral defence (or viva, depending on the country) around the world for my blog. I was originally fascinated by the differences between defence formats (such as the sword newly minted doctors receive in Finland and the medal in Chile ). Over time, however, I started to see that below the superficial differences, all types of defence show similarities. One is that there is always an emotional dimension to the defence. My worries before my defence were hardly an isolated case. Many doctoral candidates report strong emotions around thesis submission, in the weeks leading up to the defence, during the event, and even afterwards, when the post-defence blues may kick in.

However, in our recent book Planning and Passing Your PhD Defence , which I co-wrote with Olga Degtyareva, we have paid special attention to the emotional dimension of the defence (of course, in addition to the scholarly dimension preparing for answering questions, and other traditional aspects related to the doctoral defence). This was in part because, we strongly felt that we shouldn’t consider the defence as a regular examination, where a standard set of criteria are used to assess a student. Besides its function as an examination, the defence is also a rite of passage, a confirmation, a celebration, and the culmination of years of independent research work. Emotions are murky and difficult to factor in for assessment. The emotions involved in the doctoral defence make it a unique event: for the candidate, the examiners (or committee members), and for the supervisor. Being aware of these emotions, and bringing them to light, is important to understanding the defence better and the role it plays in a research career.

In my work on the doctoral defence, I found (to my surprise) that the major differences between defence formats did not influence the candidates’ perception much . On the other hand, I did find important differences in the emotions felt by candidates related to the defence, as a function of socio-demographic aspects, notably gender. Women doctoral candidates experience more negative feelings before the defence, and if they had a negative experience during the defence, the negative impact on their perception as a researcher could often be long-lasting. Being aware of how different groups experience the emotions related to the defence differently is important, especially for supervisors and examiners, and can be empowering for candidates. Besides simply being aware of the emotional dimension, it can also enable the small changes that can help settle things when emotions run high: taking a short break, offering water, getting up to open a window, or moving to another topic of the thesis.

While each PhD candidate, each research study, and each PhD trajectory are unique, there are some common emotions that deserve to be mentioned. First of all, in the weeks or days leading up to thesis submission, candidates often feel that the work is not enough, worthless, or otherwise insufficient, and these feelings can contribute to perfectionism. Other candidates may be so tired of the thesis that every small action may feel like a terrible chore. Some feel relieved upon submission, and others worry about how it will be received.

Many candidates also worry about how they will perform. For candidates in the United Kingdom, where the viva takes place before final submission of the thesis and may determine the level of corrections required for the thesis, candidates worry about what the outcome of the thesis and viva will be. Major revisions could potentially add months to the doctoral journey. Because the viva is behind closed doors, candidates also may not know very well what to expect. In the Netherlands, where candidates are sure they will pass, other causes lead to worry and anxiety. As the defence is public, candidates feel the pressure to perform well in front of the committee, friends, colleagues, and family.

The first step in dealing with this anxiety, is to name and acknowledge it, and to know that these feelings are normal. Candidates who passed without corrections worry about passing their defence as much as those who had more work on their thesis after the defence. Breathing techniques, meditation, and relaxation exercises can help. University counselling services should be there to support as well. Being well-prepared for the day of the defence itself may also help candidates to feel more in control over the day and their feelings. A positive action, such as stopping by colleagues and expressing gratitude to them before the defence, can improve defence-day-anxiety. Many candidates feel more nervous right before and at the beginning of their defence. Taking notes, repeating the question, or asking for clarification of the question, are all valid options to start answering in a calm and controlled manner. At the end of the defence, candidates can be nervous to hear the outcome, and the minutes while the committee is in deliberation may feel like hours. Then, after hearing the verdict, often the final flood of emotions (relief, happiness, pride, or perhaps disappointment, anger, or worry about the thesis revision) comes.

Emotions play an important role leading up to and during the doctoral defence. Understanding the role of these emotions is important for candidates, so that they know that what they are feeling is normal, and does not mean that they are not worthy of a doctorate. At the same time, it is also important for supervisors and examiners to be aware of this emotional dimension, and to know how different groups of candidates experience these emotions. Being aware of and holding space for these emotions allows all those who are involved in the defence to experience the defence, not simply as a test of knowledge, but as the important moment it is, in the formation and affirmation of a new scholar.

If you're about to complete, or have ever completed a graduate degree, you have most likely come across the term "thesis defense." In many countries, to finish a graduate degree, you have to write a thesis .

A thesis is a large paper, or multi-chapter work, based on a topic relating to your field of study.

Once you hand in your thesis, you will be assigned a date to defend your work. Your thesis defense meeting usually consists of you and a committee of two or more professors working in your program. It may also include other people, like professionals from other colleges or those who are working in your field.

During your thesis defense, you will be asked questions about your work. The main purpose of your thesis defense is for the committee to make sure that you actually understand your field and focus area.

The questions are usually open-ended and require the student to think critically about their work. By the time of your thesis defense, your paper has already been evaluated. The questions asked are not designed so that you actually have to aggressively "defend" your work; often, your thesis defense is more of a formality required so that you can get your degree.

  • Check with your department about requirements and timing.
  • Re-read your thesis.
  • Anticipate questions and prepare for them.
  • Create a back-up plan to deal with technology hiccups.
  • Plan de-stressing activities both before, and after, your defense.

How long your oral thesis defense is depends largely on the institution and requirements of your degree. It is best to consult your department or institution about this. In general, a thesis defense may take only 20 minutes, but it may also take two hours or more. The length also depends on how much time is allocated to the presentation and questioning part.

Tip: Check with your department or institution as soon as possible to determine the approved length for a thesis defense.

First of all, be aware that a thesis defense varies from country to country. This is just a general overview, but a thesis defense can take many different formats. Some are closed, others are public defenses. Some take place with two committee members, some with more examiners.

The same goes for the length of your thesis defense, as mentioned above. The most important first step for you is to clarify with your department what the structure of your thesis defense will look like. In general, your thesis defense will include:

  • your presentation of around 20-30 minutes
  • questions from the committee
  • questions from the audience (if the defense is public and the department allows it)

You might have to give a presentation, often with Powerpoint, Google slides, or Keynote slides. Make sure to prepare an appropriate amount of slides. A general rule is to use about 10 slides for a 20-minute presentation.

But that also depends on your specific topic and the way you present. The good news is that there will be plenty of time ahead of your thesis defense to prepare your slides and practice your presentation alone and in front of friends or family.

Tip: Practice delivering your thesis presentation in front of family, friends, or colleagues.

You can prepare your slides by using information from your thesis' first chapter (the overview of your thesis) as a framework or outline. Substantive information in your thesis should correspond with your slides.

Make sure your slides are of good quality— both in terms of the integrity of the information and the appearance. If you need more help with how to prepare your presentation slides, both the ASQ Higher Education Brief and James Hayton have good guidelines on the topic.

The committee will ask questions about your work after you finish your presentation. The questions will most likely be about the core content of your thesis, such as what you learned from the study you conducted. They may also ask you to summarize certain findings and to discuss how your work will contribute to the existing body of knowledge.

Tip: Read your entire thesis in preparation of the questions, so you have a refreshed perspective on your work.

While you are preparing, you can create a list of possible questions and try to answer them. You can foresee many of the questions you will get by simply spending some time rereading your thesis.

Here are a few tips on how to prepare for your thesis defense:

You can absolutely prepare for most of the questions you will be asked. Read through your thesis and while you're reading it, create a list of possible questions. In addition, since you will know who will be on the committee, look at the academic expertise of the committee members. In what areas would they most likely be focused?

If possible, sit at other thesis defenses with these committee members to get a feel for how they ask and what they ask. As a graduate student, you should generally be adept at anticipating test questions, so use this advantage to gather as much information as possible before your thesis defense meeting.

Your thesis defense is a formal event, often the entire department or university is invited to participate. It signals a critical rite of passage for graduate students and faculty who have supported them throughout a long and challenging process.

While most universities don't have specific rules on how to dress for that event, do regard it with dignity and respect. This one might be a no-brainer, but know that you should dress as if you were on a job interview or delivering a paper at a conference.

It might help you deal with your stress before your thesis defense to entrust someone with the smaller but important responsibilities of your defense well ahead of schedule. This trusted person could be responsible for:

  • preparing the room of the day of defense
  • setting up equipment for the presentation
  • preparing and distributing handouts

Technology is unpredictable. Life is too. There are no guarantees that your Powerpoint presentation will work at all or look the way it is supposed to on the big screen. We've all been there. Make sure to have a plan B for these situations. Handouts can help when technology fails, and an additional clean shirt can save the day if you have a spill.

One of the scariest aspects of the defense is the possibility of being asked a question you can't answer. While you can prepare for some questions, you can never know exactly what the committee will ask.

There will always be gaps in your knowledge. But your thesis defense is not about being perfect and knowing everything, it's about how you deal with challenging situations. You are not expected to know everything.

James Hayton writes on his blog that examiners will sometimes even ask questions they don't know the answer to, out of curiosity, or because they want to see how you think. While it is ok sometimes to just say "I don't know", he advises to try something like "I don't know, but I would think [...] because of x and y, but you would need to do [...] in order to find out.” This shows that you have the ability to think as an academic.

You will be nervous. But your examiners will expect you to be nervous. Being well prepared can help minimize your stress, but do know that your examiners have seen this many times before and are willing to help, by repeating questions, for example. Dora Farkas at finishyourthesis.com notes that it’s a myth that thesis committees are out to get you.

Two common symptoms of being nervous are talking really fast and nervous laughs. Try to slow yourself down and take a deep breath. Remember what feels like hours to you are just a few seconds in real life.

  • Try meditational breathing right before your defense.
  • Get plenty of exercise and sleep in the weeks prior to your defense.
  • Have your clothes or other items you need ready to go the night before.
  • During your defense, allow yourself to process each question before answering.
  • Go to dinner with friends and family, or to a fun activity like mini-golf, after your defense.

Allow yourself to process each question, respond to it, and stop talking once you have responded. While a smile can often help dissolve a difficult situation, remember that nervous laughs can be irritating for your audience.

We all make mistakes and your thesis defense will not be perfect. However, careful preparation, mindfulness, and confidence can help you feel less stressful both before, and during, your defense.

Finally, consider planning something fun that you can look forward to after your defense.

It is completely normal to be nervous. Being well prepared can help minimize your stress, but do know that your examiners have seen this many times before and are willing to help, by repeating questions for example if needed. Slow yourself down, and take a deep breath.

  • Dress for success.
  • Ask for help setting up.
  • Have a backup plan (in case technology fails you).
  • Deal with your nerves.

First, what does it take to give a successful PhD Defense? How can you prepare, keep the stress levels low, and make sure you have the highest chance of success?

I’ll just say that everyone’s PhD Defense is unique and is unpredictable. Your talk/presentation is only as good as you want it to be. And you cannot fully prepare for all the endless possibility of questions. If you wrote a 200 page thesis, your thesis commitee can pick apart an error bar on a graph on page 133. They can ask you what you meant by a word in a random sentence in any given paragraph. Keep in mind, this is all just apart of the PhD hazing process, and in a sense is just to humble you. At the end of the day, if you wrote a good quality thesis and are CONFIDENT, you should have no problem successfully defending and leaving that room with a sense of relief. Either way, I wanted to share my experience while it is still fresh in my mind

1) Do not underestimate how long it takes to prepare your slides/talk and make sure you give multiple practice talks

When I turned in my thesis two weeks ahead of time to my committee, I thought the hard part was over. Although a very important milestone, don’t let your guard down. If you already have most your slides ready to go, then you are lucky. I ended up getting data at the last minute and my story changed. I had to make many model slides from scratch.

If you want to give a GOOD thesis talk, you need to practice multiple times . And this means that you don’t cram it all in a couple of days right before your talk. I’m not talking about giving just one practice talk. You need to give multiple group practice talks. In between, you need to practice on your own.

You certainly don’t have to memorize every word of your thesis defense talk, but you should have it well-polished. There is no limit (or requirement) on how many practice talks you should give, but give as many talks as it takes until you feel like you are ready. If you are unsure of the quality of your talk (or being “ready”), tape record yourself or watch a video of yourself to see just how good it is. You might be surprised when you play it back to yourself.

You should also time your talk. I noticed that I tend to talk faster (by about 5 minutes) when giving the actual public talk vs. when I practice on my own. The length of the talk can depend on many departmental factors. My talk was ~45-50 minutes long which also leaves time for questions.

Either way, do not procrastinate on your slides and/or talk until days before. Make sure you use the full two weeks to perfect your slides, polish your talk (and be very concise about your words), and review material you are unsure about.

2) Listen to other thesis defense talks

The best way to mentally prepare for your thesis defense talk is to listen to other thesis defense talks. I actually went and got a few talks on DVD (the good ones that I remembered). If their research is on a similar topic as your own, this would be more ideal-but take what you can get. When you watch the talk, ask yourself what makes it good or bad? Were they enthusiastic and sincere? Did they keep the energy throughout the talk? Were there some rough areas of the talk? When nerves are running high, talks may not go as expected. You can battle this nervousness by showing up well-prepared. If you are, the thesis defense talk is just a formality.

If you cannot obtain any thesis defense talks on video, make sure that you go to actual public thesis defense talks. At least go to one so that you have a good idea of how to TIE the whole story together and give your audience the big picture. Keep in mind that you are giving a talk to a general audience . This means that use of jargon and highly technical terms will only put your audience to sleep. Make sure it is clear and understandable. Simplify it the best that you can and put it in the larger context of your research field. Use cartoons or model slides (if necessary) to give your audience the general, overall picture.

3) Have your friends, labmates, and others drill you with questions

What’s the best way to prepare for unforeseen questions? Have others that are familiar with your work drill you with questions. Chances are that even though these questions may not be the actual questions you will be asked either by the public and/or your thesis committee, it prepares you to think on your feet. It also builds your confidence . And the questions that your labmates or friends ask you may just be the same question you will get asked on your defense day.

4) Re-read over your entire thesis and write out your own list of questions

You may be sick of reading your entire thesis over and over by now, but you need to keep everything fresh in your mind. I actually read over my entire thesis multiple times during my final two weeks and came up with my own list of questions that I thought my committee would ask me. In addition, I also came up with a list of questions that I had of my own (questions that I was unsure of or that I thought were a weakness of mine). If you cannot come up with a list of good questions, then you are not trying hard enough.

Even though my committee didn’t ask me my exact list of questions, the process of  coming up with my own list of questions-then finding the answers to those questions (beyond my thesis)-actually helped me gained a deeper understanding of my project. And it was a confidence booster in disguise.

5) Don’t let distractions get to you

Completing your thesis is a huge milestone. Those last two weeks until defense day can be stressful. Whether you are doing job interviews, applying to other jobs, or you want to “jump the gun” and finally start your post-PhD life, don’t give into temptation. Keep your guard up until your actual defense day. This is key to giving a good talk. You need to go in with the mindset that you will kill your presentation and give a long lasting impression to your audience. I have actually heard that some people who gave great thesis defense talks were offered a position shortly after (i.e. a postdoc).

You are going to want to do all those little tasks that you have been putting off for so long because you have spent X amount of months writing your thesis in solitude and you had no time to do them. Your list could be very long. I can tell you that one of the things on my list was to keep publishing blog articles and keep my blog running. I simply did not have enough time. Prioritize and focus on your defense talk and nothing else . If you are looking for jobs during this time period, I will be writing about this in Part 3 of this series.

6) Get plenty of sleep, keep your diet in check, and take care of yourself

This might be the most difficult thing for anyone. I struggled with this the most while writing my thesis. Skipping meals, late nights, overloading your system with caffeine just to stay awake. You have to fight it the best that you can. A month before my defense talk, I hit the gym 3x a week (for the first time in months). Everyone handles the anxiety of their defense talk differently. I am someone who thinks about it constantly. So it becomes hard to focus on other things, like taking care of yourself.

Once your thesis is turned in to your committee members, during those final two weeks- sleep and a proper diet are KEY. The day of your defense, make sure you are well-rested (don’t stay up all night stressing about it) and eat well. Don’t sell yourself short. By taking care of yourself, you ensure that you have the highest probability for giving a great thesis defense talk and showing your committee members that you are confident about your project.

7) Keep your cool and relax

When your defense day comes, you have to remember that you have put in a lot of HARD WORK to get to this point. You know your topic better than anyone . Because of this, you have no reason to be stressed out.

When your committee pushes you and asks you questions, they again will push you to your limits. You will meet a point where you won’t know the answer. Also, a question could simply be a future direction/experiment that you simply haven’t tested yet. Remember that they are simply trying to test your knowledge and humble you. You don’t have to know all the answers. Therefore, when you are answering questions, keep your cool and relax. Answer the questions the best that you can and you should have no problem passing. And in all honesty, the prelim (or qualifying exam) was much harder than the actual defense…

8) Don’t focus on the after-party until you have actually reached the after-party

Who doesn’t want to spend their final two weeks planning the celebration? Although I did have an after-party, I did not go to great efforts to plan it like a wedding party. As I said in #5, prioritize and focus on your thesis defense talk and nothing else. Plan your after-party while you are on break from your practice talk/preparing for questions/working on slides but do not make it a number one priority. Once you have passed, then you can change your focus. The feeling is indescribable (see #10).

9) Have a good structure

A good thesis talk also has a good introduction before going on to the next idea or slide. It should flow in a logical manner and be smooth. That is why #1 is important, because many people don’t spend enough time in the creation of good powerpoint slides. Your slides and talk have to MATCH up , meaning you can’t have really good slides and a mediocre talk (or vice versa) if you want it to go well.

This is why practice is important, and if you spend enough time on BOTH the talk/slides you will give a very good talk. A lot of times while I was actually practicing my talk, I had to go back and change the order/wording of slides or how I introduced certain slides (the wording) so that the flow would be better.

Be formal in how you word things (i.e. say “our data show that”… vs. “you see here that”…). To give a good introduction, it might be wise to use slides that ask a question in between. This question slide (break) in-between your next idea allows for your general audience to CATCH UP and understand your logic . Why are you doing this experiment? If you just show a bunch of your published data with no introduction (and maybe a title that gives an interpretation/punchline), you will overwhelm and bore your audience.

Many scientists forget that although they are an expert on their topic, what seems easy and understandable to them-does not apply to others outside of their field .

Before you go to your next data slides introduce the idea (based on this data I wanted to ask this question). Then tell them WHY you performed this particular experiment (which is basically in the form of a question). Once your audience understands why, go on to the next slide and give them your interpretation. In other words, don’t just jump to the interpretation . This will keep your audience’s attention and make sure that your thesis defense talk gets a lot of positive feedback and leaves a good impression on your committee members (it really does show).

10) Visualize yourself giving your defense each day and think about how good it will feel when it’s over

This one is pretty self explanatory. I will say that when it is all said and done, it feels like a huge burden has been lifted off your shoulders. It is emotional and you finally feel that all that hard work and time that you put in over the years-was all worth it in the end. Good luck to all those who are preparing for their defense talk in the future! Think about what it will be like to get up in front of a large audience and show everyone how you moved a field forward. This is YOUR moment to show everyone you are an expert in your field. The more you keep this mentality, the better your talk will be. Keep your cool and relax (#7) and everything will be fine.

Call it another MIT innovation. When PhD student Jesse Tordoff passed her dissertation defense this month, she learned about the outcome in a new way: Her professors sent a thumbs-up emoji on the Zoom screen they were all sharing.

Welcome to the new world of the online dissertation defense, one of many changes academia is making during the Covid-19 pandemic. For generations, dissertation defenses have been crowning moments for PhD candidates, something they spend years visualizing. At a defense, a student presents work and fields questions; the professors on the dissertation committee then confer privately, and render their verdict to the student.

Which, in Tordoff’s case, was delivered in good humor, via a familiar little symbol.

“That was my most 2020 moment, learning I passed my defense by Zoom emoji,” says Tordoff, a biological engineer specializing in self-assembling structures.

With the pandemic limiting activity on the MIT campus from mid-March onward, moving dissertation defenses to Zoom has been a necessary adjustment. MIT students who defended dissertations this spring say they have had a variety of reactions to the change: They appreciated that family members could suddenly watch their defenses online, and some felt more relaxed in the format. But students also felt it was more challenging to engage with their audiences on Zoom.

And, inevitably, social distancing meant students could not gather in person with advisors, friends, and family to rejoice, as per the usual MIT tradition.

“That feeling of celebration — it is not something you generate by yourself,” says André Snoeck, who in late March defended his dissertation on last-mile issues in supply chains, for MIT’s Center for Transportation and Logistics.

On Zoom, grandparents in the room

Dissertation defenses are typically quasipublic events, where an audience can attend the student’s presentation but then leaves before faculty tell a student if the defense was successful. Many MIT departments stage parties afterward.

A defense on Zoom means the circle of attendees is no longer restricted by geography — something students appreciated. 

“My mom logged on in South Africa from her retirement village and watched online,”  says Ian Ollis, from the Department of Urban Studies and Planning, who in May defended his dissertation about public perceptions of mass transit in the Boston area. “She wouldn’t have been able to do that if it was done in person.”

Julia Zhao, a Department of Chemistry PhD student, says the defense was a unique opportunity for family and friends to watch her in a professional setting.

“It was nice to see all my friends, and my family could attend too,” Zhao says, whose research focuses on polymers that have both metal and organic components. “They were going to fly in for graduation but not attend my defense, so they got to sit in on that and listen to me talk about what I’ve been doing the last five years. So that was really cool.”

Tordoff also felt that on Zoom, she could focus more easily on her remarks.

“I was less nervous than if I had been standing up there in front of a group of people,” Tordoff says. “I was sitting on my couch.” One reason for that good feeling, Tordoff adds, is that when she logged on to Zoom before the defense, the only other people already there were her grandparents, watching from England.

“I was so happy,” Tordoff says. “That never would have happened in person.”

And in Snoeck’s case, his advisors did orchestrate a virtual toast after the defense, so they could celebrate simultaneously, if not in the same room.

Kudos from strangers

At the same time, MIT students note, being on Zoom limited their interaction with the audience, compared with the nature of an in-person talk. 

“You can’t read the room,” Ollis says, adding: “It’s different. You don’t have a complete perspective on the audience — you see squares of people’s faces, whereas if you do it live, you get a sense of who you’re talking to by seeing faces you recognize.”

The slightly mysterious nature of Ollis’ audience became apparent to him almost immediately after he wrapped up his online defense.

“There were quite a few people watching, who, well, I didn’t know who they were,” Ollis says. “I’ve been staying in the Ashdown grad dorm, and I was walking to the elevator after doing the defense, and somebody walked past who I didn’t recognize, and said, ‘Hey! Good job! I enjoyed that!’ I had no idea who the person was.”

Overall, Ollis says, “I thought it was a good experience. I got good feedback from people.” Even so, he adds, “I prefer being in a room with people.”

For his part, Snoeck, who has accepted a job with Amazon, felt his defense was somewhat “more like a series of Q&As, rather than a conversation” — simply due to the dynamics of the format, like the segmented nature of Zoom and its slight delays in audio transmission.

“It is weird to have a conversation with some lag in it,” notes Zhao, who will soon begin a job with a Boston-area startup, developing hydrophobic coatings. “But I made an effort to say, ‘If I interrupted, please continue.’ It is a little awkward.”

The blended defense

That said, for years now, academic faculty have sometimes been participating in dissertation defenses via Skype, Zoom, and other platforms. That typically happens when dissertation committee members are located at multiple universities, or when a professor is traveling for research or a conference. In Snoeck’s case, one of his committee members was already going to join remotely from the Netherlands anyway.

Zhao noticed a student in her department webcasting their defense last year, which seemed “a little out of the ordinary” in 2019, she recalls. But from 2020 onward, it may become standard.

“It’s kind of nice to have an extra component of people who aren’t in town but want to participate in the closing of your degree,” Zhao says. “It will definitely be more normalized, I think.”

Not all MIT PhD students defend dissertations. In MIT’s Department of Economics, the thesis consists of three papers that must be approved, and there is no formal defense, although finishing students do give fall-term presentations. Still, even for economics students, this year seems different.

“The biggest challenge has been a feeling of a lack of closure,” says Ryan Hill, a graduating MIT PhD in economics, who studies the dynamics of scientific research. “It’s been a long road.” In that vein, Hill adds, “I was really looking forward to commencement, and the doctoral hooding ceremony.” Those events will take place on May 29, online, with an in-person ceremony to be held at a later date.

To be sure, Hill is keeping matters in perspective. “In the grand scheme, it’s not bad,” says Hill, who will spend a year as a Northwestern University postdoc, and has accepted a tenure-track job at Brigham Young University.

For any new PhD, crossing that academic finish line is a huge achievement — and relief. Zhao, for instance, had to scramble to complete her lab research before MIT shuttered, and then finish writing the thesis, before the dissertation defense could occur.

“It’s been a pretty crazy two months,” Zhao reflects. “I’m just happy to be done with it.”

How to Defend a Thesis: An Introduction to the PhD Viva

The prospect of defending your PhD work can be more than a little daunting. It represents the climax of many years of hard work, you’ll have to defend a thesis in front of experts in your field and the whole PhD viva process can seem cloaked in mystery.

Maybe you’ve seen a labmate go for their PhD viva to then emerge several hours later, relieved but perhaps slightly dazed. Often it’ll be the case that they’ll have forgotten the specifics by the time they’ve left the room. On top of that, horror stories of bad PhD viva experiences pass through many research groups which are enough to make even the most confident and positive PhD students shake in their boots.

Having had my own PhD viva earlier this year, in addition to discussing experiences with many other PhD graduates, I now want to help you through the process.

Before we begin, I want to offer some reassurance. For most people the PhD viva is not at all the horrible experience we occasionally hear about. Even so, it’s still useful to know what to expect. I’ve therefore put together a series to help others understand the PhD viva process and how to defend a thesis.

Defend a Thesis: Overview of the PhD Viva Series

How is a PhD Assessed?

Typically the main output expected at the end of your PhD project is a thesis. You’ve put years of work into your PhD and the thesis details your contributions to your chosen research field. But how is the thesis “marked”? Who will decide if what you’ve written is actually any good?

This is where the PhD viva comes in!

The PhD viva involves you discussing and defending your work with experts in your field. The experts act as examiners to determine whether or not the university should award you a PhD based on your thesis and viva performance. The thesis is the written report submitted for a PhD, and the viva is a means of quality control to ensure that only suitable candidates are awarded a PhD by the university.

Although part of the purpose of a PhD viva is to ensure that the work is of a high quality, just as importantly it’s to check that you were the one who carried it out and that you understand what you were doing!

The PhD viva is therefore essentially an exam during which you’ll have to defend a thesis.

Steps to Completing a PhD

  • Submit your thesis for the examiners to read ahead of the viva.
  • Have the viva , where you’ll defend a thesis and discuss your research. The examiners will decide from a list of possible outcomes as detailed later in this post.
  • Make amendments to the thesis as necessary.
  • Optional celebration.
  • Have the thesis amendments approved by the examiners and/or your supervisor and confirmation sent to the university.
  • Upload the final copy of your thesis to the university.
  • Eagerly await notification that you’ve been awarded a PhD by the university!
  • Celebrate, Dr!

All celebrations except for the one after making changes to your thesis are mandatory!

PhD Viva vs PhD Defence

The words viva and defence are sometimes used interchangeably, but often are used to reference the different ways that the a PhD is concluded around the world.

A PhD viva (technically a viva voce ) is a formal examination of a PhD. It’s typical in the UK (amongst other countries) and it is a closed-event between yourself and some examiners.

Across much of Europe it is common instead to have a PhD defence . This still involves expert questioning but can be more of a ceremony and may even be open to the public. You can read about Siddartha’s experience , who completed his PhD in the Netherlands.

I went through a PhD viva and that’ll be the focus of this series. Nevertheless, there is overlap and you may still have difficult questions in a PhD defence, so the content in this series should still be useful no matter where you’re based.

In both a PhD viva and a PhD defence you’ll be expected to defend a thesis which represents the culmination of your work during the PhD.

Who is Present During the PhD Viva?

In the UK it is typical for the PhD viva to include:

  • One or more experts from your university ( internal examiner ).
  • One or more experts in your field from another institution to your own ( external examiner ).
  • And sometimes your supervisor, though in my experience this is quite rare unless you actively ask them to be there.

The main role of the internal examiner is to act as a moderator and ensure that the university’s protocols are upheld. They’ll usually still have some questions for you, but on top of that they’ll make sure that the external examiner(s) are reasonable. They will also take charge of documenting the viva.

Often the external examiner will be more specialised to your field than the internal examiner, so expect them to potentially ask more tricky and technical questions.

As mentioned in the previous section, for PhD defences in other countries the event may be less of an exam (viva) and more of a celebration of your work. These can be a lot more open, with access granted to your friends, family or anyone else who is interested in the topic. I quite like this idea, especially when the research has been publicly funded!

How the PhD Viva is Structured

The structure of the viva will vary but a typical format is shown below. The times in brackets are how long the sections for my own viva were, thankfully not all vivas are over five hours long!

  • Introductions (2 minutes) – greeting the examiners and they’ll usually quickly give an overview for how they want the viva to go.
  • Presentation (10 minutes) – Not all examiners will want you to give a presentation, it’s best to ask them in advance. I believe many examiners like asking for presentations: both to ease into the exam and also to see how you do at distilling years of work into a short presentation.
  • Discussion (Over 5 hours, yes, really!) – the long and potentially scary bit.
  • A short break (~10 minutes) . You’ll leave the room (or video call!) and the examiners will come to a decision for your PhD outcome.
  • Decision and final comments (10 minutes) – where the examiners will tell you what the outcome is of the viva – we’ll cover this in more depth in the next section.

The discussion in the middle of course is the main guts of the PhD viva, and the potentially scary bit. This is where you’ll get questioned about your work and thesis. What you get asked could vary considerably depending on your thesis and examiners.

I’ll save an in-depth discussion of my own viva for another post. In short, I received very few questions relating to the work or any fundamental underlying science. There were practically no questions to quiz my knowledge.

Rather than checking my understanding of the work, the viva was much more of a discussion of how best to present the work in the thesis. We spent roughly an hour going page by page through each chapter. This included suggestions for improvements to figures, changes in terminology and the like.

Possible PhD Viva Outcomes

At the end of the viva the examiners will give you feedback. This will include feedback on your performance in the viva. But as long as they’re satisfied that you carried out the work and that you knew what you’re doing, the bulk of the feedback will in fact revolve around your PhD thesis.

In reality here are the four main possible outcomes from the viva:

  • Pass with no amendments . The examiners didn’t want to make a single alteration to your thesis. Well done you just have to submit the finalised thesis to the university and you’ve finished your PhD! I know a few people who’ve had no revisions but it’s rare.
  • Pass with minor amendments Minor amendments include things such as correcting typos, rewording sentences and small alterations to data analysis and presentation. This is by far the most common outcome.
  • Referral for resubmission ( major amendments). More substantial changes to the thesis are required or further experimental work is required to fulfil the requirements of a PhD. The examiners will decide whether or not this means having another viva too.
  • Fail . Unless there are glaring issues or you didn’t actually do any of the research in your thesis yourself, you should be relieved to hear that practically no one ever fails. If you have failed, it usually points to systematic issues revolving around your supervisor: you shouldn’t have been allowed to get to this point. Usually the examiners would recommend that you be awarded a lower degree, such as a masters in research (MRes).

Making Changes to Your PhD Thesis

Shortly after the viva you should receive the examiner’s report which includes a list of revisions for you to make.

If you’ve got through the viva with a pass, you can breathe a sigh of relief because the hard work is over! In a separate post I’ll be covering how the process to make my own minor amendments went.

No matter the outcome, it is possible that you’d like to make your own changes to the thesis since it’ll have been many weeks (or months) since submitting the draft copy for your viva. On reflection there may be things you’re not happy with. You are welcome to make changes to the document yourself.

After you’ve made changes, the final stage in getting awarded the PhD is submitting your finalised version of the thesis to the university. Shortly afterwards you’ll get the long-awaited notification that you’ve got your PhD!

Should You Strive For No Amendments?

In my opinion it’s not worth the effort of trying to get no amendments.

I’d personally rather spend slightly less time up front, knowing that more than likely I would have to made some amendments. You can never put in enough work to ensure there will be nothing your examiners want changed!

You could spent hundreds of extra hours endlessly going through your thesis meticulously before submission but your examiners can always find something they want you to change. In comparison, my own minor amendments only took two days of work.

Sometimes you’ll see someone mention on their CV that they passed with no revisions but it doesn’t really have any bearing on your PhD. Unlike most other qualifications, there aren’t really grades for PhDs: you either have one or you don’t.

During an early PhD assessment my assessor made a poignant joke about medical degrees: “What do you call the person who graduates bottom of their class in medical school? A doctor!” And it’s essentially the same with PhDs!

Defending a PhD thesis like a boss!- an in-depth Guide

A thesis defense is a two-way process of PhD evaluation, a session during which experts ask questions related to the PhD dissertation for awarding a PhD degree.  

Defending a PhD thesis or dissertation is the last station of the PhD. The process of a doctorate is different! Even though prospective candidates don’t need to appear in the written examination, the thesis defense is a must!

It’s a process occurring behind closed doors or openly (sometimes!), under the supervision of subject experts or all, to award someone a prestigious doctor of philosophy degree .

PhD- the Philosophia doctor is a path full of complications and problems. Starting from admission to writing a thesis or viva, a candidate has to achieve every milestone to move forward towards a PhD. 

Broadly, a good graduation or master’s score, completion of the entrance exam, course work, PhD thesis, publication in a peer-reviewed journal, PhD presentation and well-completed PhD research are criteria to appear in the PhD defense. 

If a candidate fails to achieve any of the requirements given above, he or she can’t go-ahead. The PhD is all about research, passion, knowledge on one side whilst depression, lack of confidence, loneliness, frustration on the other side, nonetheless, it is a fun journey. 

Defending a PhD thesis at terminal can relax a doctoral student, although should not be taken for granted. 

The present piece of content is all about defending your PhD thesis, what is it and how to appear. I will also give you some tips that help you to successfully complete it. 

What is a thesis defense? 

The thesis defense is the terminal process of discussing ‘research’ to award the PhD degree. It is also referred to as PhD viva too; however, it is more a discussion session than a viva. 

A prospective student has to appear in the thesis defense along with the PhD thesis, a presentation and all other PhD related documentation. A student also has to carry all the materials and proofs that can be used to convenience a supervisor or expert to award the doctorate. 

The entire process is verbal. Two external subject experts, a guide, and a university VC conducts the process, note that other students can also appear in the PhD defense process too as a guest. 

Universities usually conduct close viva sessions to avoid ‘personal bullying’ during the thesis defense. 

During the process, questions are based on the thesis content, topic and subject of the prospective student’s research. The objective of conducting the defense session is to check the knowledge of a student, research aptitude and how he or he had done their research. 

It is a kind of evaluation process in which experts ask questions and point out gaps in research presented by a student.

What is the process of thesis defense? 

The process of PhD thesis defense starts with the general introduction of experts followed by the presentation session. A candidate has to present their thesis in a PowerPoint presentation, keynotes or google slides. 10 to 20 minutes are alloted to present the work in 15 to 25 slides. 

Soon after, experts ask questions related to research. Several of them are, 

What is the purpose of the present research? 

Why is the present topic chosen? 

What is the study population and why only those are selecting 

What are the outcomes of the present work? 

Why are the results or outcomes important? 

What are the societal benefits of the present work? 

How or what the present research contributes to the present knowledge? 

These are the common questions asked to know the quality, quantity and strength of the research one has conducted. 

The process is of two types; close thesis defense viva and open thesis defense viva. 

In the close thesis defense viva, only a subject expert and a PhD supervisor conduct the entire process of the thesis defense, no one is allowed to interfere in it. A student can defend their thesis confidently, on the positive side, however, sometimes the integrity of the session doesn’t maintain due to lack of a monitoring body. 

During the open thesis defense, anyone can appear in the viva session including students of master’s and graduation. Also, anyone can ask questions related to the topic. 

Open thesis defense sometimes makes things harder for the prospective student. Which type of viva or defense system you have to face will depend on the university. The process and type of thesis defense vary from country to country and university to university.  

2 to 5 examiners or external evaluators are invited for a PhD thesis defense session by the university. The criteria to select examiners for the same are; they should be not from the university, they are experts in a related subject, they are working outside the university. 

University allows a PhD supervisor to the defense session but they can’t participate in the discussion. Examiner examines the thesis and will randomly ask queries to the presenter. 

Who conducts a thesis defense? 

The thesis defense of master’s, M Phil or PhD is held by the university under the vigilance of the supervisor for the student appearing in the degree. 

A PhD supervisor invites two or three other experts of the subject to conduct the session, university presentative or vice-chancellor closely monitors the entire process, if present.

How long a thesis defense occurs? 

Per student 10 to 20 minutes are allotted to defend the thesis, however, it may vary, depending on how long a verbal questioning session happens. If it is interesting, it may take up to 2 hours. 

Sometimes, experts wind things in 30 minutes too; that depends on how neatly you have written your thesis and how beautifully you have given your presentation. Still, a few questions are common and asked in every thesis defense. 

Usually 20 minutes to 2 hours it takes to complete the thesis defense. 

What happens after the completion of the thesis defense? 

Defending a thesis isn’t like giving a written exam, which means the results are not like ‘pass’ or ‘fail’. The results are like how excellently one has done their doctorate- research, thesis and presentation. 

There are three possibilities after completing the PhD viva or thesis defense.

  • First, you have successfully completed it.
  • Second, you have failed in defending the thesis- revision required. 
  • Third, there are chances of improvement- minor revision required. 

When you present your thesis excellently, write the dissertation in a proper way and accurately- like a professional writer, proofread it correctly, complete all the objectives mentioned in the thesis, done research in a proper way, you probably come in the first case. 

A PhD degree will be awarded to you soon! 

If a thesis is not written in a good way, not all the objectives are completed, not published a paper, or fails to write a thesis completely or it is partially incomplete, you fail in defending the thesis, need revision.

In this case, you have to re-appear in the Ph.D. to complete the incomplete work. 

The third case is a bit different in which a student is advised to do some minor changes and improvements to make their own thesis much better. Usually, re-viva is not conducted in these cases. 

In the second case, in which a student fails to defend their thesis, re-viva and second round of thesis defense will be conducted after six months or a year. 

Note that awarding the thesis entirely depends on the external examiner.

Can anyone fail in the thesis defense? 

I can say yes! But not exactly because it is not an examination. A candidate has to appear again after sometimes to defend the thesis. Here are the cases in which we can say, a candidate failed thesis defense.

  • Improper, incorrect or partial thesis. 
  • Incomplete objectives. 
  • Incomplete research work. 
  • Lack of significant outcomes. 
  • No publication 
  • Fail to answer questions during the defense. 

Practically it is not considered as ‘fail’, re-viva or another round of thesis defense will be conducted. 

Tips to successfully defend the thesis for PhD: 

When you will be on your presentation, an examiner opens your thesis; thoughts of curiosity, nervousness, excitement and energy will flow around you, all at once. 

In these conditions, even if your preparation is excellent, a small mistake can ruin everything for you. 

You have to balance your positive as well as negative emotions at the same time. Here are some of the tips that definitely help you to defend your PhD thesis successfully. 

Defend the PhD thesis like a boss!

Fill yourself with positivity: 

You are very near to your goal, one step ahead of getting a degree- an utmost academic honor- the PhD. Surely, you need to balance everything, as I said, but to do so, you need to behave positively. 

Even if you know the gaps, problems, limitations and problems of your PhD thesis, yourself or your knowledge, you need to keep calm and behave like everything will be on your side. 

Only you know what is not perfect in your presentation or thesis, why to show it to others! Stay calm, focus, confident and positive like everything is perfect there. 

If you still feel so negative, imagine there are so many students in the world who have not even reached this level! You are here, on the last step of the PhD- feel proud of yourself.

Dress well, look well: 

To feel confident and positive, you have to look better. Wear a good, decent and formal dress, shave your beard or trim it, style your hair and polish your shoes. If you will look good, a positive and joyful atmosphere will be constructed in the room that will definitely help you. 

Don’t look tired, hopeless, restless, sleepless. 

Checklist all things: 

A couple of things are required during the PhD viva or thesis defense session. One is the presentation and the second is the thesis. In addition to this, don’t forget to take other documents related to your PhD like your plagiarism clearance certificate, your registration certificate and even your logbook. 

One can’t appear in the thesis defense session without a presentation and thesis. 

Other things are secondary in this case.

Prepare a good presentation: 

Before preparing a PhD presentation, you need to know in which format the university allows to present the thesis. However, the globally accepted format is Microsoft Powerpoint. 

Prepare a good, decent and professional PhD presentation of 10 to 15 slides and save it in multiple formats. Include only necessary information, I know it is very difficult to summarize the 4000 to 5000-word essay in 10 slides. 

Also, don’t forget to include material, methods, theory, results and outcome of the research, those things are very essential. Make your presentation correct with your PhD supervisor before appearing in the thesis defense. 

Make a backup: 

What if your presentation will not run on the day of defending the thesis? What if you lost your hardcopy of the thesis? that is not good, right! 

 You are a PhD student , above all, out of the box thinking ability and good analytic thinking, how can you forget to make backups? 

Backup your presentation in a flash drive, cloud storage and email. Prepare presentations in multiple formats.

Make the back of the thesis soft copy as well and store it on different devices that are easily accessible in case of emergency. In addition to this, also prepare a rough and unbounded draft of the thesis hardcopy as a backup. 

Control yourself: 

Students who have done their PhD sincerely are confident about their work but it is very important to control yourself during the thesis defense. In any harsh condition don’t lose your calm, don’t be aggressive.

Even if you know that the expert is wrong- that is a rare case scenario, respect their opinion and behave accordingly. See it is obvious, no one knows more than you and your guide about your topic.

Try to explain things to the panel member, if it can’t work, leave it, respect their opinion and take it as suggestions.

Answer to the point: 

Sometimes it happens that you explain things more than the experts’ needs. There are drawbacks of explaining things elaborately, they can trap you! 

As I said, pay attention to the question asked by the expert and try to answer what they want, not more than that. Explain things if they don’t understand. 

Do this if you don’t have an answer: 

Experts’ duties are to find gaps and problems in your research so that they can find knowledge actually required. So it is obvious, they confuse you, and ask questions which you don’t know. 

 Don’t get nervous or panic, if you don’t know the answers. Take a deep breath and admit that you don’t have the answer or don’t have an idea about that. To support this situation, you can even make an assumption that this might happen or this will be the reason or give a probability.

See thesis defense is not like a viva, questions will be intellectual and will challenge your knowledge and thinking every time for sure. You have to show them your ability to think differently, not what to already know!

Do this if something wrong happens! 

Days change, some are good, rest are bad. Things will be on your side someday, or not on other days. What you will do if something wrong happens whilst defending the thesis? 

Your presentation may not work, You lost your thesis, a big problem with the thesis- you didn’t know and problems in findings of results; these are some common problems I had seen in PhD viva. 

So you have to prepare for that, what to answer in those conditions. Anyone can make mistakes, simply apologize and request panel members that you will fix the problem soon. See, you have to act as per the situation, I can not tell you what you say in which conditions. 

For instance, if your presentation is not working or electricity is not there on the day of the presentation simply apologize for that, present it with the available utilities like chalk and blackboard.

The important thing is don’t panic, apologize first, and request to continue the presentation. For instance, if there is a major issue in the thesis, request the examiner that you will fix it, please allow you to continue the presentation. Try to complete your presentation, anyhow, who knows if they will impress. 

Be prepared for the most common questions: 

 The 10th tip is very useful and kind of a hack for you. There are several questions asked routinely during every thesis defense session. For instance,  what is the purpose of your research? How outcomes help society? Why have you chosen this topic? Why have you selected this technique for your work? What are the applications of your research? Like that. 

Be prepared for these questions, a few of them will be asked during the session. Then after the discussion will pick the heat, and your thinking ability will be tested.

Conclusion: 

Thesis or dissertation and PhD viva or thesis defense aren’t mandatory for all. Some professional degrees seek only internships for the award of PhD or doctorate. IN PhD in medicine or psychology, thesis or viva isn’t conducted, though the criteria are decided by the universities and hence vary greatly. 

Still, the thesis defense is a common practice performed to award PhD, M Phil or post-graduation degree.

In Sweats or Suits, Graduate Students Embrace the Remote PhD Dissertation Defense

Adam Vogel always pictured himself defending his PhD neuroscience dissertation at Boston University in a room filled with faculty, classmates, friends, and family, and afterward, his mentors toasting him at a party. Instead, he sat alone, in the middle of the night, clicking on a Zoom link from his Airbnb in a high-rise outside sweltering Manila, where he’d gone on spring break only to be marooned for months by the Philippines’ nationwide COVID-19 lockdown.

When it was over, recalls one of his mentors, Shelley Russek , director of the Graduate Program for Neuroscience, who had beamed in from Boston (12 time zones behind the Philippines) for the defense, “I extended my hand—virtually—and said, ‘Congratulations, Dr. Vogel, you did it.’” 

That, and a round of clapping hands emojis from the other members of the dissertation committee, was the party for Vogel (MED’20).  

Adam Vogel did his Zoom defense in shorts and one of the three shirts which he brought with him to the Philippines. Vogel sits in a gray chair, his hands clasped, and wears a white long sleeve shirt and jeans.

“Adam was the first one [at BU] to Zoom his defense,” says Russek (MED’94), a School of Medicine professor of pharmacology and experimental therapeutics. “We were all nervous about it.” Afterward, offline, she was so spent emotionally from worrying about Vogel and how the remote presentation would work, she says, “I cried.” 

That was March 30. Four months later, as Russek says, the virtual dissertation defense at BU, and at universities across the country, has become routine. In fact, thanks to the accessibility that comes with Zoom, the remote academic dissertation defense has become a hot ticket. Friends and family members are tuning in from around the world. Vogel estimates 40 to 60 people showed up online for his presentation, “A tool for the in vivo gating of gene expression in neurons using the co-occurence of event-driven neural activity and light.”

“Some students will take it as if it’s Broadway,” Russek says. “They’re in front of the camera, all eyes are on them.”

Like so many other aspects of the COVID-19–imposed virtual world, the online PhD defense presents obstacles along with some unexpected benefits. There are, of course, worries about connectivity and technical glitches. 

“There is always one faculty member who will shout on chat, ‘Will everyone please turn off their microphones,’” Russek says. “Some students don’t have strong internet signals and you lose them for a little bit. Then someone has to say, ‘Can you repeat the last sentence?’”

Defending her economics dissertation in June from the bedroom of her apartment in Brookline, Fatima Aqeel kept her phone plugged in the entire time and hoped she wouldn’t meet the fate of the assistant professor from France who, mid-sentence during his remote talk to a group of BU economics faculty and students, disappeared entirely. When all efforts to reach him failed, says Aqeel (GRS’20), “we ended the seminar.”

“I’m just glad we had a long ethernet cord,” says Jordan Chambers, who defended her dissertation, in molecular biology and translational medicine, from her Allston apartment bedroom, with the door shut so her two cats couldn’t wander in. 

She was grateful, Chambers (MED’20) says, that her grandparents, who live in Ohio and wouldn’t have been able to travel to Boston for her presentation—pandemic or no pandemic—were able to attend online, joining her parents, who had been planning to make the trip from their home in North Carolina, but stayed home because of the coronavirus. 

“This is one of the things I would call a silver lining,” says Kyle Pedro (MED’20), who presented his thesis, in microbiology, from the kitchen of his Jamaica Plain apartment. “I could share the link with anyone I wanted. People who were local and might not have been able to take time off to hear me present for an hour, or who might not have been able to travel, could share in this big, momentous day in my life.” 

Pedro’s parents tuned in from northern California. “I tasked my sister with teaching them how to use Zoom,” he says. “She made sure they knew how to use the mute button.”

With PhD candidates flashing their presentation slides on the screen from their bedrooms, kitchens, and living rooms, much of the formality of the dissertation defense is gone—and, a lot of students and faculty say, that’s a good thing.  

Aqeel wore a silk shirt and sweatpants and perched, cross-legged and barefoot, on a chair in her bedroom. “The formality of the defense makes me a little nervous,” she says. “This was more relaxed.” 

“Presenting in person comes with its own challenges,” says Pedro, who wore a button-down shirt over shorts, and like Aqeel, went barefoot. “You’re standing in front of a room full of people. Some people really like that.” He isn’t one of them. “I have a little bit of stage fright,” he says. “That was eased somewhat.”

The new Zoom dissertation defense is at once impersonal and more personal than the live, on-campus event. Russek says that faculty are going out of their way to extend themselves online during the defense. “Faculty understand that students are isolated,” she says, “and want to be there for them.”  

Chambers says her fiancé, who normally would have been in the audience section of a conference room on the Medical Campus with everyone else, was able to sit right across from her in their bedroom—out of view of the camera and the committee—mouthing encouragement and flashing the thumbs-up while she was delivering her thesis talk in molecular biology and translational medicine. 

At the end of March, Richard Giadone presented his dissertation, in molecular biology and translational medicine, from the living room of his one-bedroom apartment in Cambridge, in the custom-made blue suit and bow tie his mentor, George Murphy , codirector of the Center for Regenerative Medicine (CReM), had bought for him back in December. Giadone (MED’20), who grew up in Dracut, Mass., and graduated from the University of Massachusetts Lowell, is the first person in his family to graduate from college, let alone earn a PhD. As is Murphy, a MED associate professor of medicine. Tradition matters, Murphy says. 

“When we heard it was going to be a Zoom defense,” Murphy recalls, “we said, ‘You’re still wearing the suit.’” 

As things turned out, COVID-19 didn’t leave Giadone much time to prepare for his big moment. Two weeks before, on the same day he turned in his 150-page thesis, Murphy had texted him at four am: “I know you have to study for your thesis defense and everything, but we need to help BMC [Boston Medical Center] develop in-house COVID testing.”

With cases of the coronavirus surging in Massachusetts, Murphy and Giadone and a team of other researchers raced to turn CReM into a same-day COVID-19 testing development lab . After close to three hours online for his defense, the newly minted Dr. Giadone, forgetting he was still in his suit, drove to the lab. It was the first day testing samples were available for use. 

“That was my baby,” Giadone says. “I wasn’t going to miss that.”

With the party canceled, Murphy didn’t get to deliver the short speech he had prepared for Giadone. He had planned to open by recalling what he had said to Giadone early in his PhD career, when Giadone had already established himself as a gifted student:

“‘ You’re doing great, and there won’t be a problem with you meeting expectations and being granted your PhD. But…you won’t be remembered. You won’t be legendary. Be legendary.’    

“ So, first of all, who actually says something like that to someone? And even more shockingly, who takes those words to heart and not only fulfills the prophecy, but actually finds a way to exceed it? Richard Giadone .” 

Instead of a party with Murphy and the other members of his lab and his family and friends, Giadone kicked back at home with his girlfriend, who is also a scientist. “We watched a lot of reality TV,” Giadone says. 

Back in Manila, it was after midnight when Vogel’s dissertation committee pronounced him “Dr. Vogel.”

“He knocked it out of the park,” recalls one of his dissertation committee members, Steve Ramirez (CAS’10), a College of Arts & Sciences assistant professor of psychological and brain sciences. “It was inspiring to see such poise despite the otherwise exceptional circumstances surrounding his defense.” 

“I thanked everyone and just enjoyed the moment,” Vogel says. Now that he had his PhD, he had another hurdle to overcome: getting back to Boston. With the lockdown stretching on in the Philippines, it would take him another two and a half months before he could score a seat on a flight out of Manila.

So, I made it. Yiihaa! Four years culminating into one day. My first post as a fresh Doctor in Operations Management will be my reflections on giving the defense. I hope the thoughts will be somewhat helpful or comforting for all those shivering PhD candidates yet to come. One thing’s for sure; I’ve got respect for the process. A PhD defense is – and should be – a serious ceremony. Yet, it can be one of the best days in life. These tips and tricks on how to defend your PhD dissertation are not just my own; many thanks to all the professors at NTNU who shared their advice with me. I’ll pay it forward.

Nerve coolers

Yes, it’s the lamest advice, but it is still the best: you are the expert in the room . Trust your brain. No one in the world has recently spent so much time as you on this specific topic. Your supervisor has found your thesis worthy to be defended. So has the committee. You will pass. Everyone knows that. The only one still doubting is you. You know all the weaknesses of your own work. The opponents in the committee don’t. They know the weaknesses of their own work…

In fact, the committee has better reasons to be nervous than you; the audience want you to succeed and be brilliant. It is not everyone against you, it is everyone against the committee. The opponents want to appear smart but friendly. An experienced professor told me that in many cases they are so hung up in performing with their questions, that they don’t really pay attention to all your answers. After all, it’s a small research community and what goes around comes around. They’ll be much nicer than you fear.

Dress up for your defense. This is your day. If you’re going to have a tough time, have it with style. The audience does not just listen to what you have to say, they observe it. If you look good, your work looks good. The last thing you want to worry about when the opponents start lightening up the fire is whether your shirt matches your socks.  Treat yourself with a complete new outfit. You certainly deserve it, and it boosts your confidence and cools your nerves.

Presentation skills

Presentation skills is king. It is probably too late to become a TED-level speaker two weeks prior to the defense, but it’s not too late to nail an excellent presentation of your work. Make sure you get these basic things right: simple slides, flow and timing. Practice? Yes, of course. A run-through with colleagues is essential and tremendously helpful. But don’t overdo the practice part; if you know it by heart, it will get boring. Leave some room for nerves and energy. I recommend about three to five full trials, of which at least one in the actual defense room.

A difficult thing during a PhD defense is to reach your audience. Probably, your public defense draws a rare mix of friends, family, expert colleagues, other PhD candidates and wild-card walk-ins. How can you possibly deliver a speech that will reach them all? Make all of them feel smarter. Tell a story: what was the problem, what did you do, and what did you find that contributes to research and practice (repeat if several papers). That simple story will offer something for anyone.

The discussion

Your presentation is delivered. It went well. Now, don’t let your guard down. This is when the real defense start. If you got a written comment to your thesis from the committee you should have read it carefully and practiced a few responses to the obvious questions in it. I also hope you have already attended a few other defenses and asked professors for advice before you’re up. In any case, the most important advice is this one: This is the day to be humble . All research has weaknesses. Be confident about your choices and results, but agree that it could have be done better or differently. That will take you far.

Some questions deserve a few seconds thought. Write them down as soon as you hear that there are several questions bundled into one. Here’s a few standard openings that might come in useful: “A good point, I’m aware of that debate…”; “Yes, on one hand (…) but on the other hand…”; “I see your point, but I respectfully disagree, because…”; “I’m not an expert in that area, but here’s how I view that…”; “I understand that question as follows… (tweak it into something you’ve prepared to answer)”. In general, talk more if you’re confident, be brief when you’re on thin ice (this is much more tricky than it sounds like!). Use examples if you have them. If you’ve done case studies, refer to them. No one knows what you have seen and heard, hence you own the truth and can speak freely and in pictures. Examples come with the additional benefit of being interesting for the audience.

Finally, the PhD defense is not meant to be a walk in the park. There will be a few really tough questions, and it can therefore be good to know of a few “life savers”. The most usual one, which you can pull a few times and that will quickly end any difficult question is this one: “An excellent point, I would like to look into that in the future” or “Unfortunately, I did not have the time and resources to investigate that, I’ll leave it to future studies”. If you need to buy yourself some time, and you know that you have treated the question somewhere in you thesis, you can lend this dry joke from me: “Hmm, let me read what I think about that…”. If every escape is blocked, and you painted yourself into a corner, you “get a free life” by simply admitting “I don’t know the answer to that question”. But note; this last-resort-option can only be used once, so save it carefully .

Congrats on beeing so close! Some people have bigger egos than others, my advice would be to be diplomatic with him; thank him and let him know that you “see his points”, and that “no research study is perfect”, but that “you believe in your work and there is clearly some merit in it ” (after all it has been published). I am sure he’ll back off eventually if the rest of the committee wants to accept it. Good luck!

How much of statistics are you expected to demonstrate knowledge in a dissertation defense.?

Before you can start your thesis you must:

  • Complete all courses, exams, and research requirements
  • Meet with your advisory committee to ensure that everyone agrees that the work is ready to defend
  • Decide on a date for the defense
  • Inform your graduate administrator that you have started the process to prepare for your defense

A chair is appointed for each PhD oral defense to monitor and promote fairness and rigor in the conduct of the defense. To help eliminate pre-established judgments on the candidate’s work, the chair should be from a different program/department than the student. For more information about chair responsibilities, read the instructions for the chair .

You must identify a faculty member to serve as chair for your defense. The chair must be:

  • A current full-time faculty member at assistant professor rank or higher
  • Outside the department offering the degree program, or outside your advisor's department (interdisciplinary degree programs only)
  • Someone who has not had prior involvement in your research

The selection of the chair is subject to the approval of the department/program, th Arts, Sciences and Engineering dean of graduate education and postdoctoral affairs, and the University dean of graduate studies.

The chair must be physically present during the entire defense, including the public oral presentation (if applicable) and the questioning session. The chair is welcome to read and comment on the dissertation and/or the defense presentation, but this is not required. The chair does not need to be an expert in your research area.

It is your responsibility to get a copy of the final dissertation to the chair at least one week prior to the defense.

You should begin scheduling the actual defense date three months in advance to ensure that your advisor, committee members, and chair are able to be present and that rooms are available on the date and time selected.  

Defenses can be held on any day the University’s Graduate Studies Office is open (not weekends, evenings, holidays, or the days between Christmas and New Year’s). Check the  academic calendar  for important dates and deadlines.

Use the  PhD calendar  to determine the deadline dates for getting your paperwork to the Office of Graduate Education and Postdoctoral Affairs and department committee.

When all committee members and your chair agree to a specific date and time for the defense, inform your graduate administrator as soon as you possibly can, but no later than six weeks prior to your defense date . Your graduate administrator will advise you of any program-specific requirements for the defense as well as work with you to prepare for your thesis defense. They will also help you determine who will schedule the room for your thesis defense.

You should provide your committee members at least two weeks to read and comment on your dissertation before the date you need to register your dissertation.

Participating Via Video Conferencing

While you, your advisor, and the chair must all be physically present in the room for the defense, other committee members are allowed to participate in the defense remotely via Skype or other video conferencing technology so long as all committee members agree to the arrangement. This must also be approved by the AS&E dean of graduate education and postdoctoral affairs and the University dean of graduate studies before the dissertation is registered for defense.

Someone other than you and your committee must handle the IT setup and be on standby for any problems. If anyone involved finds that remote participation is interfering with the defense, he or she can request that the defense be rescheduled.

We strongly recommend that international students meet with an  International Services Office (ISO)  representative as soon as permission to start writing is granted. The ISO will provide information on visa options, documentation, and timelines for applying for a visa for employment in the United States.

You will register for one of the following categories while preparing your defense:

  • 999: Dissertation —Indicates the PhD student has completed all of the requirements for the degree except the dissertation and is in residence as a full-time student
  • 995 : Continuation of Enrollment —Indicates the PhD student has completed all of the requirements for the degree except the dissertation and is not in residence as a full-time student

The Preparing Your Doctoral Dissertation manual is a great resource to help you bring your dissertation up to the required standard of organization, appearance, and format for the University of Rochester. Before preparing the defense copy of your dissertation, check the contents of the manual carefully to help avoid mistakes that can be time-consuming and costly to correct.

Before beginning your dissertation, you should consult with your advisor for your department or program’s preferred style guide (APA, MLA, Chicago).

Including material produced by other authors in your dissertation can serve a legitimate research purpose, but you want to avoid copyright infringement in the process. For detailed instructions on avoiding copyright infringement, please see ProQuest’s  Copyright Guide .

The University requires that you provide copies of the dissertation to your committee members and exam chair. You should check with your committee members to see if they prefer printed or electronic copies (or both). Printed copies do not need to be printed on heavyweight, expensive paper unless there is the need to do so for figures and images. 

Printing and binding a dissertation can be expensive. You can use the Copy Center or FedEx Office to print and bind your dissertation.

In order to register your dissertation, you or your graduate administrator will need to create a record on the Graduate Studies PhD Completion website . This record will include:

  • Degree information
  • Past degrees
  • Contact information
  • The defense version of your dissertation as a PDF
  • Other relevant documents

The version of your dissertation attached to your online record is considered the registration copy.

When your PhD completion record is finalized, committee members will receive emails with links to access your record and approve your dissertation to progress to defense. You’ll need to provide copies of the dissertation identical to the registration copy to all members of your committee, including the chair, at least two weeks before the record is finalized. Everyone but the chair is required to comment or sign off on the dissertation before it is submitted.

There may be deadlines for registering your dissertation specific to your program. Consult with your graduate administrator to ascertain those deadlines and follow them carefully.

After all committee members have provided their approval, your thesis will be reviewed by your faculty director/department chair, the AS&E dean of graduate education and postdoctoral affairs, and the office of the University dean of graduate studies. When all of these officials have approved your committee and dissertation for defense, your dissertation is considered registered. You will be able to track these approvals in your online record and will receive a confirmation email when approvals are complete.

The GEPA Office and the AS&E dean of graduate education and postdoctoral affairs, as well as the University Graduate Studies Office, may make corrections to the PDF of your dissertation. This annotated copy of your dissertation, along with the original version, will be stored in the PhD completion website. You are not allow to distribute updated versions of your dissertation prior to the defense, but be sure to incorporate any corrections before uploading your final dissertation to ProQuest®. 

After the defense, if the committee has required major revisions to be approved by one or more of its members, it is your responsibility to provide them with the corrected final version for their approval.  They will be asked to submit written confirmation of that approval to the University Graduate Studies Office. Failure to do so could delay conferral of your degree.

After the defense, you will receive additional instructions by email for completion of all PhD degree requirements.

It is important to walk into the defense knowing that your committee wants you to pass. Even if criticism is harsh, it is meant to be constructive. The defense is not solely an opportunity for the committee to compliment and congratulate you for the work you have done. It is also meant to challenge you and force you to consider tough questions.

The Defense

The best way to prepare for your defense is to regularly attend the defenses of your colleagues throughout your graduate program, not just several weeks prior to your own defense.

You can also talk to people in your department who already defended to find out what their defenses were like. You should also speak with your advisor to get a sense of his/her specific expectations of a defense.

Guidelines for Presentations

Use PowerPoint or Other Software to Create Slides

You should prepare a presentation of the research that comprises the thesis. Your slides should encapsulate the work and focus on its most salient contributions. In preparing, ask yourself these questions: “What do I want people to know about my thesis? What is the most important information that I can present and talk about?”

Here are some basic tips:

  • Use text large enough to be read by the audience (especially text from figures)
  • Ensure graphics and tables are clear
  • Don’t clutter your slides—if necessary, have things come up on mouse clicks
  • Use spell check and proofread your slides
  • Practice your presentation with your peers
  • Work on pronunciation, if required
  • Time your presentation to ensure it will fit the allotted time while allowing time for questions

If your defense includes a public lecture, we recommended that you do a trial run a day or two before in the room that has been booked for your lecture. This will allow you to familiarize yourself with the space and the equipment and to address any problems that arise during the trial run. 

Plan your public lecture to allow enough time for questions. Present enough information so that the audience understands what you did, why you did it, what the implications are, and what your suggestions are for future research.

Friends and family are welcome to attend your public lecture. Faculty and students in the audience are given the opportunity to ask questions.

Plan to dress professionally for the defense in the same way you would if presenting a paper at a conference or for a job interview. You will be standing for a long time on the day of your defense. You might want to keep this in mind when selecting the shoes you will wear for your defense.

Essentials for your public lecture include:

  • Your presentation
  • A laser pointer
  • A copy of your dissertation
  • A pen or pencil
  • A bottle of water 

You will be asked to leave the room while your committee reviews your program of study, and decides whether:

  • The thesis is acceptable/not acceptable
  • Whether members will ask sequential questions or whether each member will be allotted a specific time period for questioning

The person to start the questioning is designated. You will be called back into the examining room and questioning will begin. After all questions have been addressed, you will be asked to leave the room while your committee decides the outcome of the exam. You will be asked to return to the room to be informed of the outcome by the chair of your exam committee.

  • Listen  to the entire question no matter how long it takes the faculty member or student to ask it (take notes if necessary).
  • Pause and think  about the question before answering.
  • Rephrase  the question.
  • Answer  the question to the best of your ability; if you do not know the answer, remain calm and say so in a professional way.
  • Remember  that no one will know the ins and outs of the thesis and your research materials as well as you.  You  are the foremost expert in the thesis topic and  YOU know the research involved. Be positive!

Possible outcomes include:

  • Acceptable with minor or no revisions (no further approval required)
  • Acceptable with major revisions in content or format (in this case, one or more committee members must be responsible for overseeing and approving the major revisions before the final copies are submitted)
  • Not acceptable

After the Defense

You can submit the final corrected copies of your dissertation as soon as you address any remaining comments that were brought up during the defense or noted in the registration copy of your dissertation, which will be returned to you usually within a few days before or after the defense. You can take up to one semester following the defense to address any comments, during which you can remain a full-time student. Your degree conferral date will depend on when you submit the final corrected copies of your dissertation.

The day after your defense, you will receive an email from the University dean of graduate studies that provides instructions on how to:

  • Submit the final corrected copies of your dissertation through ProQuest
  • Provide authorization for the release of your dissertation through UR Research
  • Complete a mandatory online exit survey
  • Verify to the University dean of graduate studies’ office that the dissertation has been submitted

The University of Rochester requires all doctoral candidates to deposit their dissertations for publication with ProQuest Dissertation Publishing and with the University libraries. Hard copies are not required. The library receives an electronic copy of the dissertation from ProQuest, but students must give the University permission to obtain it.

Remote Doctoral Defenses Bring Surprising Benefits

Duke Engineering PhD candidates experience the bright side of having to shift to online dissertation defenses

When Narayanan Rengaswamy faced his committee to defend his PhD dissertation, “Classical Coding Approaches to Quantum Applications,” it would be at the front of a room full of his friends and peers, in the university where he had spent the last four years of his life. Assuming the defense was successful, he would enjoy the handshakes and well wishes of the faculty, staff and students who had cheered him along his academic journey. Laughter—and perhaps a cake—might later be shared among friends.

That’s what he had dreamed of, anyway, until a few short weeks ago. 

When Duke Graduate School emailed PhD candidates outlining the university’s new policy on public PhD defenses in response to the coronavirus pandemic—only the candidate and their committee were allowed to be physically present—Narayanan Rengaswamy’s heart dropped. As ever more stringent precautions were enacted, the Department of Electrical and Computer Engineering finally asked that all students conducting defenses after March 16 th , present remotely, to remote committees. 

Rengaswamy did not rage, nor cry, nor gnash his teeth at the new guidelines or the need to hastily master and implement Zoom, the now ubiquitous platform for virtual meetings.

“I chose to focus on the bright side of the online format,” he said. “I invited many friends from different parts of the world to join virtually for my live defense. Moreover, I recognized that this format also allowed me to record my defense talk, and share it publicly . ” Rengaswamy added that the new, closer proximity of his presentation slides to his committee members probably made it easier to focus on the content.

Indeed, the positive experiences of many PhD candidates who have defended over the past two weeks have many wondering: is this perhaps the better format?

Rengaswamy was the first PhD candidate in Duke Engineering to defend online, and his approach to integrating the necessary technology was straightforward. With the exception of practicing with the new software and devoting a bit more thought to how to introduce his research to make it more accessible to a wider audience, he prepared no differently than he otherwise would have. The same went for Guoyin Wang, who on March 24 defended “Applications of Deep Representation Learning to Natural Language Processing and Satellite Imagery,” supervised by David Carlson, and became the first candidate in Duke Civil and Environmental Engineering to successfully defend remotely. 

Some candidates, however, crafted more elaborate presentation setups. Michael Lee, who had been working in the lab of Duke Mechanical Engineering & Materials Science Professor Earl Dowell to reduce the cost of fluid dynamics simulations, simultaneously used Zoom to communicate with his committee and Twitch to broadcast his defense publicly. A third component, Slido, let users anonymously submit questions that could be upvoted by others to indicate high interest in the topic.  

“One monitor was dedicated to the presentation, but on a second monitor I had four windows open,” said Lee. “There was the Twitch stream app to see that the chat was working, there was a Q&A open in another, Zoom participants were in a third window, and my performance monitor was up to make sure I wasn’t maxing out my CPU or WiFi capacity. To be honest, it was a lot to keep track of.” Once he got through the first few disorienting minutes, though, Lee settled in and gave what his viewers—more than one hundred of them—saw as a masterful presentation.

Luis Navarro, another MEMS PhD studying materials science with Stefan Zauscher, was also able to draw a larger crowd by using remote learning technologies. “It was super easy to allow friends and family to see my talk,” he said. “My parents were planning on flying over for an in-person defense. However, because it was remote, a lot of my friends, some living as far away as Japan and China, were able to participate live. It was great to share with people who would otherwise have totally missed the event.”

The feeling of connectedness played a big part in what Rengaswamy called one of the most memorable days of his life. “My kind committee members (advisor Henry Pfister, co-advisor Robert Calderbank, Kenneth Brown, Iman Marvian and Jianfeng Lu) actively participated in my defense, asked interesting questions driven purely by curiosity and expressed their heartfelt best wishes after the defense. To top it off, my parents were overjoyed that their only child had earned the title ‘doctor’ and poured out their emotions and blessings over a video call.” Similarly, it was particularly meaningful to Lee that his grandparents in upstate New York were watching his presentation.

As candidates continue to present and defend over the coming weeks, successful candidates and their committee chairs have these tips to offer, so that new PhDs can stop worrying about their tech, and go back to dreaming of their post-pass celebrations—like Daniela Cruz, a candidate in Duke Electrical and Computer Engineering professor Maiken Mikkelsen’s lab, who will defend her research into plasmonics-enhanced immunoassays next week. 

“Since most places will be closed, I plan to go outdoors and enjoy nature,” said Cruz. “I also plan to open a bottle of champagne and virtually celebrate with my family in California and Ecuador.”

Preparing for an online defense? Take these tips from new PhDs and their advisors:

Build in several additional hours of practice time to familiarize yourself with the technical setup, and practice and troubleshoot. 

Find a clean place with fixed lighting to hold your defense and test your camera/microphone/presentation setup with a second party. 

Determine who will be responsible for laying out the ground rules i.e., who is allowed to ask questions, and when? Will committee members keep their video cameras on or off? Explain how to mute and unmute microphones.

Consider whether you’d prefer to remain off-camera while presenting, if you have multiple screens as platforms to juggle. Be sure to discuss your preferences with your committee ahead of time. 

Recording your talk for posterity is easy if you’re using Zoom, so take advantage of that! Twitch can also record as it streams.

Use the waiting room feature on Zoom to screen visitors, but also remember that an entire group may be admitted from the waiting room to the meeting only at the beginning of the meeting; after the meeting has begun, attendees must be moved back into the waiting room one by one. 

Make someone on your committee the co-host, so they can help manage attendees, questions and tech issues during your defense. 

Have a backup plan. (“It’s a good idea to re-share the document and a complete slide deck with the committee, so that in the worst-case scenario the host or co-host can advance slides while the candidate is available via a phone line,” advised Zauscher.)

With your screen in front of you, your presentation notes can be worked into your talk more fluidly. (“Don’t use it as a crutch,” Navarro cautioned, “but it helped me a few times when I got jammed.”)

Hosts or co-hosts can also use Zoom’s waiting feature to sequester candidates while the committee deliberates.

Thomas Maani successfully defended his PhD Dissertation on July 17, 2024, and officially deposited his dissertation on July 24, 2024. 

Thomas is advised by Dr. John W. Sutherland, Head of the Environmental and Ecological Engineering Department. Originally from Kampala, Uganda, Thomas earned his bachelor's degree in Civil Engineering from the University of Dar es Salaam in Tanzania and a master’s degree in Civil and Environmental Engineering from the University of Toledo in Ohio. Following his master’s, he joined the Laboratory for Sustainable Manufacturing (LSM) to pursue his PhD.

His PhD research investigated the material flows, environmental impacts, and economics associated with critical materials used in electric vehicles (EVs) with a special emphasis on circular economy principles. When Thomas joined LSM, he worked on a 3-year project funded by the Ford Motor Company whose goal was to develop decision support tools and identify technologies that will help evaluate and pursue EoL value recovery and closed loop recycling/reuse strategies for rare earth permanent magnets (REPM) in electric vehicles (EVs). Circularizing these REPMs through reuse, remanufacturing, and recycling will help mitigate the supply risks for these magnets while simultaneously lessening the solid waste burden associated with end-of-life (EoL) EVs. Upon the successful completion of the 3-year Ford project in the summer of 2022, Thomas embarked on an internship at Argonne National Laboratory (ANL). While there, he contributed to a project aimed at enhancing their Greenhouse gases, Regulated Emissions, and Energy in Technologies (GREET) model. Recognizing his exceptional contributions, Thomas was granted $93,000 to further his research endeavors in critical materials analysis for electric vehicles in partnership with ANL, a collaboration that extended throughout the duration of his PhD studies.

During his Ph.D. program, Dr. Maani has authored or co-authored 9 papers published in prestigious journals and conference proceedings. He was awarded the 2024 Outstanding Research Award by the College of Engineering at Purdue. Additionally, he is a recipient of the Environmental Research and Education Foundation (EREF) scholarship, which recognizes excellence in doctoral research and education in waste management.

Dr. Maani’s dissertation titled “Sustainability Analysis of Critical Materials in Electric Vehicles with Emphasis on Circular Economy Principles” evaluated the demand for critical materials in the U.S. transportation sector under various scenarios, focusing on both light-duty vehicles (LDVs) and medium- and heavy-duty vehicles (MHDVs). Additionally, the potential for value recovery of critical materials from electric vehicles was assessed, followed by an analysis to determine the most effective methods for achieving this recovery.
