Cover Letter for UK Visa

A cover letter for UK visa is instrumental in persuading the ECO that you meet the visa requirements and have no intention of overstaying your visa. It gives you the opportunity to convince the ECO that you are a genuine visitor and you will promptly return back to your country.

A cover letter is a document to convey additional information that wasn’t asked in the UK visa application. It’s not a mandatory document but by far the most helpful document in increasing your chances of UK visa approval.

Why do you need a cover letter for uk visa.

The information asked in the UK visa application isn’t enough to convince the ECO that you will return back to your home country after your trip. 

Most questions on the UK visa application are close-ended. They don’t give you an opportunity to explain. 

A cover letter allows you to explain in your own words and be as descriptive as you can. You can use your own format and even use illustrations if needed.

Is a cover letter mandatory for UK visa?

No. A cover letter is not mandatory for UK visa. It’s not even a document in the documents checklist for UK visa.

When I applied for my UK visa, I did not submit a cover letter. At that time, I didn’t know the importance of a cover letter for UK visa. I didn’t feel the need to explain anything additional, so I didn’t submit one. My visa was still approved. 

That’s not the case for everyone. A cover letter will not hurt your chances of approval, it can only help. It gives you an additional opportunity to convince the ECO. 

If I apply again for my UK visa, I would definitely submit a cover letter. 

What should you write in the cover letter?

A cover letter is not a mandatory document for UK visa. So obviously, UK Visas and Immigration (UKVI) does not provide any guidelines on what to include in the cover letter.

As you all know, I started this website in 2016. Since then, I have been helping my readers with their visas. I figured that a cover letter was the most helpful for UK visa. 

I have been writing cover letters for my readers. Over time, I learned that a cover letter with a certain format worked the best for UK visa. 

I would like to impart all my knowledge in this article, so you can write the most compelling cover letter for your UK visa. It will not only impress the ECO but will greatly improve your chances of visa approval.

So without any further delay, let’s get started. 

Format of the cover letter

Short Simple and Clear Cover Letter for UK Visa

The goal of the cover letter is to convince the ECO that you are a genuine visitor. You must do this in a simple, short and clear manner. ECOs rarely will have time for anything other than what’s asked.

Write your cover letter in simple words as if it’s meant for a 5th grader. If the language is too complicated to read, ECO will not bother to read it. 

Do not use words that people from your country can only understand. ECOs are from the UK and they can only understand the terms that they use in the UK. 

Example: It’s common for people in India to say something like “ please do the needful and revert back to me “. Even though it’s still understandable, saying something like “ please let me know if you need anything else from me ” will help the ECO understand better. 

Remember, a cover letter is not a mandatory document. ECO is doing you a favor by reading it. So, make it easy for the ECO.

Your cover letter should never be longer than two pages. ECOs rarely have time for things other than what’s asked in the application. If you present them with a booklet, they will toss it in the trash without even looking at it. 

Again remember, a cover letter is not mandatory. It should not consume too much of ECO’s time.

To further simplify your cover letter, format it with subheadings, bullets and highlights. This helps the ECO to quickly glance over the letter and read any section that interests them. 

Example:   Instead of writing like this – 

“ I intend to travel to the UK for tourism from 20 June 2021 to 24 June 2021 and I plan to visit various attractions in London such as Buckingham Palace, Tower of London, Tower Bridge, London Eye, Madame Tussauds, National Gallery, etc. “

Write like this – 

  • I intend to travel to the UK for tourism. My travel dates are from 20 June 2021 to 27 June 2021. 
  • 20 June 2021: Arrive at Heathrow International Airport at 3 PM. Check-In and dinner.
  • 21 June 2021: Visit Buckingham Palace and the Tower of London
  • 22 June 2021: Visit Tower Bridge and London Eye
  • 23 June 2021: Visit Madame Tussauds and National Gallery
  • 24 June 2021: Depart from Heathrow International Airport at 10 AM

Sections in the cover letter

It’s important to break the cover letter into different sections. This helps the ECO quickly glance through the letter and understand the gist of it. If needed, the ECO can read specific sections. Your cover letter for UK visa must contain the following sections.

Section 1: Your previous UK visa refusals

In the UK visa application, there is a question on previous UK visa refusals. It asks about your previous UK visa refusal and its details. This question asks you to explain why your UK visa was refused but doesn’t ask why it shouldn’t have been refused

There is no other place in the application to address your previous visa refusals either. There is the “additional/extra information” area, but it’s only for text and not suitable for formatting or pictures. Therefore, the cover letter is the most appropriate place for addressing your previous UK visa refusal. 

If you are re-applying to challenge your UK visa refusal , include a section in your cover letter specifically for your previous visa refusal. Address your previous visa refusal with evidence, additional information and documentation. 

Keep this section as the first section in your cover letter. Having this section at the beginning of the cover letter will help the new ECO get straight to the point. Otherwise, they may overlook and your efforts of re-application may go to waste.

Here is an example.

Previous UK Visa Refusal

My previous application for the UK visitor visa with GWF number GWF12345678 was refused on 16 March 2021. 

I would like to address the reason for the refusal with additional information and documentation.

Reason for refusal: The sources of the deposit (£850) were not demonstrated by the documents provided.

Explanation: The deposit in question was made on 05-Dec-2020 for the amount of £850. This amount was the yearly bonus from my employer. Yearly bonuses are deposited in the first week of December every year. Please find the attached documentation to prove that these funds are available to me.

Additional Documentation: (1) Bonus slip, (2) bonus announcement email and (3) letter from my employer with details of bonus, amount and dates.

Section 2: Your travel purpose and itinerary

In this section, mention your purpose of visit and proposed itinerary in the UK. The itinerary must be detailed enough but not too descriptive to confuse the ECO. Format it with bullets and/or a table.

Proposed Travel Itinerary

  • I intend to travel to the UK for tourism for a total of 7 days. My travel dates are from 14 Oct 2021 to 20 Oct 2021.
  • My planned day-by-day itinerary is as follows

Section 3: People traveling with you to the UK

In this section, mention the people that will travel with you to the UK. If you are applying for the visa with your family members, mention their details such as name, passport number and GWF number. 

Each individual must submit one UK visa application. Say if a husband, wife and child are traveling to the UK together, each of them must submit a separate UK visa application. There is no easy way to tie these applications together. 

There is a question in the application asking for travel companions, but mentioning them again in your cover letter will help tie them all together. 

Travel Companions

I will be traveling to the UK with my wife and son. The GWF numbers of my wife’s and son’s UK visa applications are as follows.

Section 4: Your current employment/business or university details

In this section, mention your current employment details. Include details such as the employer’s name, how long you have been working and your current salary.

Employment Details

  • I currently work for Samcore Logistics, LTD, Dubai as a product manager.
  • I have been working as a product manager at Samcore Logistics, LTD since Nov 2014.
  • My monthly salary is 7,000 AED after taxes.
  • An original letter from my employer, a leave approval letter and bank statements indicating the salary deposits are attached.

If you are a business owner, mention the details of your business such as your business name, your role in the company, yearly revenue, etc.

Business Details

  • I own a construction business in Dubai since 2016. I’m the founder and president of the business.
  • The business has been in positive cash flow since its inception with yearly revenue of 300,000 AED.
  • A copy of my business registration, business license, bank statements and tax returns are attached.

If you are currently a student at the university, mention your university details along with the program, major and semester details.

University Details

  • I’m a full-time student enrolled in the undergraduate program at the University of the Philippines.
  • I’m currently in the second semester of my second year with another four semesters remaining to graduate.
  • A letter from my university and the fee payment receipts are attached.

Section 5: Your current financial situation

In this section, mention your source of income, savings and the bank statements for your UK visa . 

If you have multiple bank accounts, this section is a good place to talk about it. Explain why you have multiple bank accounts and how they are connected.

Financial Solvency

  • I currently have 300,000 INR (approx. 2,900 GBP) in my bank account.
  • The source of my savings is my salary from my employer, WinTech Corporation.
  • The last 6 months bank statements and payslips are attached.

It’s quite common for many to work in a foreign country and send all their earnings back home for family maintenance or savings. In such cases, you will have to submit bank statements from both countries, but most importantly, mention that clearly in this section.

If you use a broker or third party to send cash back home, errors can occur and transactions may not match. I highly recommend using a money transfer service such as Wise to transfer cash back to your home country.

Section 6: Your sponsorship information

If you are paying for your trip yourself, this section does not apply to you. Have this section in your cover letter only if someone else is paying for your trip. 

In this section, mention your sponsor details, your relationship with the sponsor, what expenses they will bear, etc.

  • My brother is sponsoring my trip to the UK.
  • He will bear all my travel expenses while I’m in the UK including accommodation, food and transportation.
  • A letter from my brother, his UK residence permit, employment proofs, bank statements, his apartment lease contract and the document to prove our relationship are attached.

Section 7: Your travel history

In this section, mention your travel history. Travel history is very important and highlighting it will only help with your UK visa. Your travel history can include all your previous travels to the UK and other countries. If you have traveled to a country multiple times, mention that country only once.

  • In the last 5 years, I have traveled to 8 countries for both tourism and business. 
  • The countries I have traveled to are Hong Kong, South Korea, Japan, Indonesia, Malaysia, UAE, Turkey and Denmark.
  • A copy of my visas and entry and exit stamps from all the above countries are attached.

Section 8: Any family members staying back at home

In this section, mention any family members remaining at home during your UK trip. This helps prove your family ties with your country. Family ties indicate that you will return back to your country after your trip. 

Do not include this section if it does not apply to you.

Family Remaining at Home

  • I currently live with my wife and two children.
  • My wife and children will remain at home during my trip to the UK.
  • A copy of my wife’s employment proof and children’s school receipts are attached.

Section 9: Your intention to return back

In this section, mention that you will promptly return back after your trip and the reasons for that. Reasons can be employment, business or attending to family needs.

  • I intend to return to Pakistan after the end of my UK trip on 27 Oct 2021 as I have to report back to my employer and continue at my job on 28 Oct 2021.
  • An original leave approval letter from my employer is attached.

Section 10: Any miscellaneous information

If you want to add something that didn’t fall under any specific section above, you can include it here. This could be something about properties you own (economic tie), your rental situation, covid safety precautions, etc.

Miscellaneous

  • I currently live in a rental apartment. A copy of my rental contract is attached.
  • I own farmland with my wife. A copy of my property ownership document is attached. 
  • I assure you that I will follow COVID safety precautions throughout my trip.

A cover letter is not a mandatory document for UK visa. But in my experience, it’s the most helpful document. The goal of the cover letter is to convince the ECO that you are a genuine visitor. Your cover letter must be simple, short and clear. Break the cover letter into sections, paragraphs and bullet lists. Use pictures and screenshots if necessary.

UK Visa Guidance: Visitor Visa for Parents and Family

As an international medical graduate (IMG) working in the UK, one of the toughest things that we have to deal with is homesickness, distance, and our separation from friends and family back home. There are only two ways you can alleviate that- 1) Racking up your annual leaves to visit home. 2) Apply for the UK visitor visa for your family and parents. Let’s talk about the second option in detail.

What type of UK visa can parents apply for?

It is commonly misunderstood that parents of an independent child (i.e. you) can apply for ‘UK Family Visa’ . No, they can not. UK family visa as a parent can only be applied for if the child is <18 years of age and has either British citizenship or has ILR or some other specific circumstance.

For parents of an independent child who doesn’t hold a permanent visa in the UK (most of us), the only way they can come to the UK is via the ‘Standard Visitor Visa’ . It is the same visa you may have applied for if you took the PLAB 2 exam .

Previously there was a separate family visitor visa which is now all absorbed in the standard visitor visa .

How to apply for a UK visitor visa for parents

The process of UK visa application is all very streamlined via the GovUK website. This is the link where you have to click  ‘apply now ‘ to start a  standard visitor visa   application . The whole process has the following steps:

Online application fill-up

Once you click  apply now  in the above link it will ask you a series of questions and finally, you will be able to submit that.

Registering with your local visa application centre (VAC)

GovUK will determine which service deals with UK visa applications in your country and will forward you their service/website once you have submitted the online application.

Submitting supporting documents and biometrics

VAC in your country will give you the option to either upload or submit the evidence and supporting documents as well as let you book an appointment to provide biometrics (fingerprints and photo).

The following information is needed to successfully complete the online application form. Remember these questions have to be answered from your parents’ point of view , not yours, even if you are filling the application form.

  • Parent’s name (according to passport) and address (an address that you can provide evidence for)
  • How long have you lived at this address? – In my mother’s case, it was in the years since she got married
  • Passport details
  • Nationality, country and date of birth
  • What is your employment status? – If you say one of your parents is employed , remember you will have to show no objection certificate for travel from their employer as well as sufficient bank statement and employment certificate to prove employment.
  • Do you have another income or any savings? – It is very likely your parents will have some sort of savings.
  • How much money are you personally planning to spend on your visit to the UK? – For a 6 months visit it’s safe to assume that the total cost will be £4000 – £5000. Even if you are sponsoring the whole amount as they have some savings, they personally can plan to spend one-fourth or one-fifth .
  • What is the total amount of money you spend each month? – For my mother, it is around 15000 BDT taking into account different bills, food, and medications.
  • Will anyone be paying towards the cost of your visit? – Yes. Someone I know (for example, family or friend) – then you add your name and address and the put the rest amount three-fourth or four-fifth of the total amount.
  • Your planned travel information – This is very important . The visa will very likely start from the date as you put as planning to arrive in the UK. So make it as close to the real travel date as possible.
  • What is the main reason for your visit to the UK? – Tourism and then Visiting Family.
  • Give details about your first parent – So you have to know the details of your grandparents. Names and dates of birth.
  • Do you have any family in the UK? – Yes. Give your details here again. And if you have a Tier 2 visa like me – you have a temporary visa.
  • Will you be travelling to the UK as part of an organised group? – In my mother’s case, it was no as she will travel independently.
  • Staying with family – Tick box your name and provide your contact details. The date you will arrive at this address can easily correspond to the date of arrival in the UK.
  • International travel history
  • Breach of immigration law, war crimes, terrorist and extremist views, employment history, a question about good character etc will all hopefully be no.

That’s it. These are all the information you need to have prior to starting this online application.

What’s the duration I should apply for?

If it is the first application, I would go for a 6-month visa. Later on, you can apply for a longer duration (2, 5, or 10 years) to minimize the hassle of the visa application. Remember- your parents cannot make the UK their main home by frequent and successive visits. If they are caught, they may get banned from visiting the UK entirely.

UKVI has no strict rule that states you can only stay ‘6 months in a year’, but for any visit the maximum your parents can stay is six months at a stretch . So the safe frequency will be a few months in a year and clearly spending more time outside the UK than inside.

Required documents for visitor visa application

The list of documents that I attached for my mother’s visit visa to the UK :

  • Cover letter
  • Her bank statement showing her savings
  • Her nationality certificate proving her address
  • An invitation letter from me
  • My passport copy
  • My last 6 months bank statement (which serves as a proof of my address)
  • If you are renting , then also add a copy of your tenancy agreement.
  • An employment letter from my trust.

It does not have to be elaborate. Keep it simple, keep it short. If your parents have any income or major transaction, make sure you explain it here in brief.

This also does not have to be lengthy. You should explain the nature of their visit, which is a short family visit and mention your visa status and accommodation arrangement currently.

Employment letter from your trust

If you drop a line to your HR representative that you will require an employment letter because you are sponsoring a visit visa for your parents, they will happy to do so.

Make sure you ask them to mention the following:

  • The date of your job commencement
  • The contract duration
  • Your job title
  • Your salary

The letter has to be addressed to whom it may concern and printed in a headed paper containing trust’s official seal and HR rep’s contact information.

A standard visitor visa costs £95.

The fee for a long-term Standard Visitor visa depends on its length:

  • 2 years – £361
  • 5 years – £655
  • 10 years – £822

There are also other costs associated with the services that you can buy from your local visa application centre.

How long does it take to get a UK visitor visa for parents?

The time frame may vary from country to country, but generally, a standard visitor visa application only takes 2 weeks to give you a verdict. You should not apply more than three months before the intended travel date.

You may get a verdict on the application early if your VAC has the option of a premium visa application.

Can I bring my parents permanently in the UK?

As long as you have a temporary visa (tier 2) , you can’t think of that. Why? You are not even permanent.

After working for 5 years you can apply for a settled visa (indefinite leave to remain) and 1-2 years after that, you can apply for UK citizenship. So, after 5-6 years of service in the UK, you can think about bringing your parents permanently.

But this elderly dependent visa application has a high threshold and evidential bar to be reached. The list below is not exhaustive, but you have to prove the following:

  • Any parent or grandparent who is wholly dependent financially and emotionally on the permanent UK resident
  • There is constant contact with the parent and grandparent
  • The applicant has no close relatives in their home country that can be relied upon for support (very difficult to prove as close relatives may be sons, daughters, brothers, sisters, grandchildren, uncles, aunts and possibly nephews, nieces or in-laws)
  • The UK relative has appropriate accommodation for the applicant as well as any dependents the applicant may bring to the UK

Evidence under this category needs to be provided by the applicant to prove that their circumstances are true and, most importantly, there is either financial dependency on the sponsor or most exceptional circumstances exist.

More often than not this type of applications are done via immigration agencies in the UK to the court. So the bottom line is, there is a way to bring you elderly parents to bring permanently in the UK, but it may not be applicable or achievable by many.

You can scan your documents at the Visa Application Centre with their Document Scanning Assistance option. An additional fee applies for this service.

Step 7: Visit the Visa Application Centre

Attend your appointment at the Visa Application Centre to submit your biometrics and get your photograph clicked. Take your valid passport with at least one page that is blank on both sides. Children under 16 years old need to be accompanied by an adult.

Step 8: Get Your Visa

Once a decision is made on your application, you can collect your documents from the Visa Application Centre or have them delivered to you for an extra fee.

Please do not attend the Visa Application Centre until you have been contacted to do so. To collect your documents in person; bring the receipt issued by the Visa Application Centre and a valid Government identification card.

This UK tourist visa fee is non-refundable and subject to change. Additional fees may apply depending on factors such as foreign exchange fluctuations, courier delivery charges (if availed), etc.

The UK Embassy/Consulate can take up to 3-5 weeks after an appointment with them to process your visa application.

You may be able to extend your stay if you have permission to be in the UK for less than 6 months. You can extend your stay up to a total of 6 months. For instance, if you've already spent 4 months in the UK, you're eligible to apply for a 2-month extension.

You can apply to stay in the UK for longer than 6 months if you're a patient receiving medical treatment. You need to apply while you’re still in the UK and before your current visa expires.

Track Your UK Visa Application Through VFS

For an alternative way to keep track of your UK visa application, you can use the VFS Global service:

  • Access the VFS online application tracking page .
  • Input the Reference Number present on the invoice/receipt issued by the Visa Application Centre.
  • Fill in your last name.
  • Enter captcha and hit ‘Submit’.

You need to apply for a Direct Airside Transit visa if you’ll be changing flights in the UK and will not be going through UK border control. You’ll need to apply for a Standard Visitor visa instead of a Visitor in Transit visa if either:

  • you need to stay more than 48 hours in the UK
  • you need to frequently pass through the UK over six months.

Please note that you do not need a Transit Visa for the UK if you hold a valid Standard Visitor tourist visa. 

When applying for a UK visa, knowing what could potentially lead to denial is crucial for strengthening your application and boosting the likelihood of getting approved. Here are some important considerations:

  • Lack of Proper Documentation: All UK visit visa or tourist visa documents you submit must be authentic, complete, and satisfactory. Submitting incorrect or misleading information can cause your application to be rejected immediately and may lead to potential bans on future applications.
  • Lack of Funds: Inadequate proof of financial stability and inability to cover the cost of your stay can lead to rejection.
  • Weak Ties to India : UK authorities may question your intentions to return to India, if you cannot demonstrate strong ties, such as family, property, or employment in India, and, hence, may reject your visa application.
  • Questionable Travel Record: A history of overstaying visas in other countries could be seen as a red flag, suggesting a risk of not adhering to UK’s visa regulations.
  • Intentions Under Scrutiny: Not being able to convincingly explain the reason for your visit and its consistency with your planned activities might arouse suspicion. For example, expressing plans to work on a visa that doesn't allow employment could result in denial.

Dear Home Secretary,

I am pleased to inform you that we have published the Migration Advisory Committee’s (MAC) rapid review of the Graduate route, a copy of which has been provided to your office.

Our report provides insights on the five questions posed in your commissioning letter. We have not found evidence of widespread abuse on the Graduate route, where we define abuse as deliberate non-compliance with immigration rules, and we conclude that the route is not undermining the integrity and quality of the UK higher education system. However, we have reason to believe that some agents and subagents recruiting international students are mis-selling UK higher education and exploiting students in the process. We expect the impact on public finances of Graduate visa holders on the route to be small but positive, as most appear to work, are young, and have no recourse to public funds.

Having laid out in full our answers to these five questions in our report, we provide three sets of recommendations:

We recommend retaining the Graduate route in its current form. We found that the Graduate route is broadly achieving the objectives set out by the Home Office, while also supporting Government education policy as outlined in the International Education Strategy. The changes to the rules on student dependants which were implemented in January and are in effect a change to the dependant rules of the Graduate route, will likely have a significant effect on Graduate route usage going forward. Whilst initial data suggests these changes are already substantially reducing international student numbers, we believe their full impact should be assessed before considering further changes. Implementing additional restrictions or closing the route now could risk overcorrection. Given international student fees help make up the financial deficit that universities have from teaching domestic students and research, any significant restrictions to the route should only be considered once the structural funding issues in the higher education sector have been addressed. This speaks to the broader point that any changes to migration policy will likely involve trade-offs across other areas of Government policy.

We recommend that the Government establishes a mandatory registration system for international recruitment agents and subagents which encompasses the quality controls in the voluntary Agent Quality Framework, consulting with the Devolved Administrations to ensure UK-wide coverage. We recommend that universities should be required to publish data on their spend on recruitment agents and the number of international students recruited through such means annually as a starting point to improving disclosure. Whilst most agents play an important role in promoting the UK and in supporting international students, we found some examples of bad practice from certain agents. Our recommendations should help ensure that the quality of UK higher education is upheld, and students are protected from exploitation.

We provide several recommendations on data and monitoring for the route and the wider immigration system which are outlined in our report. Firstly, we recommend that the Government should only open new migration routes or make significant policy changes when it has a clear plan for how it will collect and monitor data to assess the effectiveness of the route against its objectives and understand wider impacts. We also recommend that the Home Office introduces a requirement for universities to provide it with confirmation of the course outcome (e.g., class of degree) on the Student route, in addition to confirmation that a course has been successfully completed which is currently required. We note that some of the data you referred to in your commissioning letter was incorrect. This data was not referring to those that had switched from the Graduate route to the Skilled Worker route, rather it covered those that had switched from the Student route to the Skilled Worker route. This takes us to our next recommendation; we recommend the Home Office undertakes a review of the data variables used for analytical purposes across the largest visa routes (including the Skilled Worker route, Student route and Graduate route) to develop a clear definition of what these data represent, and the quality of each variable collected. Finally, we recommend that the Government explore and make further use of the HO/HMRC matched data.
