How to Choose an Office 365 Business Plan. A Detailed Guide
Understanding the differences between Office 365 plans can help you find the set of functions you need to support your organization’s operations and team interactions. At the same time, by carefully reviewing the plans that Microsoft offers, you avoid paying for unnecessary features.
In this guide, we cover Microsoft Office 365 plans, the differences, and the elements of every package to help you choose the Office 365 business plan that works for your organization.
Step 1: Office 365 Plans. Brief Overview
Microsoft provides a set of Office 365 plans for organizations and individuals. Four options are available for those who need an enterprise-level subscription plan for a business:
Office 365 E1 delivers an entry-level services pack.
Apps. The plan offers web-based tools for emailing, work management and collaboration, and storage. Desktop apps are not available.
Security. Security and monitoring layers for data safety are here along with the guarantee of 99.9% financially-backed uptime, meaning that the yearly cloud services downtime is nearly 8 hours.
Price. $10 per user/month
Office 365 E3 is a more advanced package that offers app client versions to install, additional safety services, and compliance tools.

Security. Compliance features (mailbox hold, eDiscovery) and additional data protection compared to E1.

Apps and security. The plan is the full-pack solution including web and desktop Office (again five PCs, five phones, and five tablets per user), advanced communication, data analytics, data safety, and compliance tools.
Price. $38 per user/month.
Office 365 F3 is designed for frontline staff and fits the organizations that need an affordable all-in-one toolset to facilitate internal workflows.
Apps. The plan is a minimalistic solution that includes the web and mobile versions of Office and Outlook, along with most web services to organize internal workflows (such as To Do, Stream, Bookings, and Teams).
Security. Also, this plan includes five security and monitoring layers helping to ensure data safety. The majority of safety and management possibilities are excluded.
Price. $4 per user/month.

Office applications from Microsoft’s portfolio have been known for decades, and it does not require an in-depth description. Office 365 is the pack containing:
- Word - document editor
- Excel - spreadsheet app
- PowerPoint - presentation creator
- OneNote - notes organizer
- Access - database management
Step 4: Outlook
Included in E1, E3, E5, F3.
With Outlook, you have your calendar and emails organized and available in one pane of glass. The app’s interface is intuitive, enabling easy tracking and connecting to events or appointments along with organizing and managing email messages’ data and attachments.
Step 5: Exchange Online
Included in E1 (50 GB), E3 (100 GB), E5 (100 GB), F3.
Exchange Online is an alternative email and calendar organizer. In general, this solution outperforms Outlook in many ways. The inner Exchange dashboard includes a diverse set of tools required to control and manage the email data of an organization. Additionally, you can send larger messages with Exchange Online. Lastly, the security of this solution is also more advanced, especially regarding compliance and email filtering.
Step 6: Microsoft Bookings
Included in E3, E5, F3.
With Microsoft Bookings, you can manage and organize appointments more efficiently. The functionality enables customizing event details and specifying the service provider along with other info you might need. Microsoft Bookings is integrated with a calendar, and you can avoid double-booking and find and distribute free time better.
Step 7: Office Delve
Included in: E1, E3, E5
Delve helps you optimize and simplify the processes of document depiction and organization. Connect to colleagues, view the topical content, and find the required documents and connections at once. Delve is a file organizing instrument enabling you to group files into boards to speed up searching through documents and make it more efficient.
Step 8: Teams
Included in: E1, E3, E5, F3
Microsoft Teams, a collaboration app, unites calls, video meetings, chats, and a file exchange platform. With Teams, you can improve teamwork and employee involvement. Launch video conferences with a single click, perform real-time file management, and share ideas using voicemail or text messages.
Step 9: SharePoint Online
SharePoint is another app enabling and empowering communication and teamwork processes inside an organization’s infrastructure. Use the app for data sharing, resource management, fast file search, and collective knowledge spreading that can improve employees, departments, or an entire organization’s performance.
Step 10: Yammer
If you ever tried to imagine the internal social media solution for an organization, then the concept would most probably look like Yammer. Yammer enables the delivery of live events, setting up internal connections throughout an organization, and data sharing. Host meetings with up to 20,000 attendees and increase team involvement with the use of video through web and mobile applications. With the analytical data available in the Office admin center, you can understand the activity and measure the impact after the meeting.
Step 11: Microsoft OneDrive for Business
Included in: E1 (1 TB), E3 (1-5+ TB), E5 (1-5+ TB), F3 (2 GB per user)
With OneDrive, you can connect data throughout the Microsoft 365 infrastructure used. File sharing between apps, resource uploading, library synchronization, and team cooperation on any device are available. For file protection and recovery, an admin can set and change security policies directly in OneDrive.
Nevertheless, don’t forget that OneDrive is not a backup feature, and using this Microsoft solution instead of implementing actual data backups is not a solid choice for data protection.
Step 12: Microsoft Stream
Stream by Microsoft is a universal app gathering all videos from the organization in one place. Organize live streams with up to 10,000 visitors, share group meeting recordings, and deliver education videos to add knowledge to the corporate base and boost your team’s performance.
Step 13: Microsoft Sway
Sway is a comprehensive instrument to create visual materials such as documentation, newsletters, and presentations. The difference from PowerPoint is in the improved intuitiveness of Sway. Additionally, the solution’s drag-and-drop builder along with customizable layouts make it easy to use.
Step 14: Power Apps and Power Automate for Microsoft 365
This is a set of low-code instruments to assist with solving organizational challenges. With Power Automate, you can simplify tasks through workflow automation and operational processes’ interconnection. Simultaneously, by using Power Apps, you can develop applications that are usable across various devices.
Step 15: Microsoft Forms
Microsoft Forms is a feedback collection app facilitating the creation of quizzes, surveys, and polls within minutes. The data can be visualized and analyzed conveniently with automated reports and real-time charts you can export to Excel. Use Microsoft Forms to track employee satisfaction and customer feedback, which are critical to developing your organization.
Step 16: Microsoft Planner
With Planner, you can set and control task management and teamwork efficiently. This intuitive app allows you to create visual boards with checklists, labels, and files to boost staff productivity and make collaboration more convenient.
Step 17: Microsoft To Do
The other daily planner app is Microsoft To Do that enables cross-platform management of tasks. Communicate with team members, narrow down job tasks, set reminder messages to have deadlines, and keep track of the progress. Use personalized recommendations to update tasks and remain updated all the time with mobile and desktop applications synchronized.
Step 18: MyAnalytics
With MyAnalytics, you can explore and upgrade the organization’s workflows and patterns. With the built-in AI solution, the app analyzes the focus points based on calls, chats, meetings, and emails. Then, you can use that data to improve the productivity of staff members. The MyAnalytics data is available only to you because the point is to figure out working routine solutions suiting your own requirements and job habits.
Step 19: Power BI
Included in: E5
Another analytics solution in the Microsoft package is Power BI. You can receive insights and in-depth analytics of data sources, including Google Analytics, Microsoft Exchange, CRM systems, and Excel, among others. The data can be easily visualized and systemized with a customizable dashboard and interactive reports to simplify perception and improve understanding.
Step 20: Microsoft Defender for Office 365
To react to malware protection requests such as email compromise, malware, ransomware, and phishing attacks, Microsoft developed the Defender service for Office 365.
With Microsoft Defender for Office 365, you have at your disposal tools for the entire cyberattack cycle:
Prevention . Built-in default features and capabilities can protect the organization’s infrastructure and data from a significant amount of malicious solutions.
Detection . With the assistance of AI algorithms, malware can be detected early into the attack to mitigate negative impacts and block data breaches.
Investigation and hunting . Here, Microsoft Defender is supposed to track and investigate threats. Then, the solution should prevent the further spreading of malware strains across the infrastructure.
Response and remediation . You can react to threats effectively and quickly with automated workflows.
Awareness and training . You can facilitate employee training and boost awareness of malware threats.
Secure posture . Improve security by keeping up with the security recommendations and templates offered by Microsoft.
Step 21: Office 365 Cloud App Security
Microsoft Cloud App Security (MCAS) is created to identify and counter cyber threats throughout cloud services. Control and manage resources and ensure regulatory compliance with native integration for the solution.
Microsoft offers a flexible set of plans for organizations to choose from. This article is for people who have subscribed to a Microsoft 365 for business plan.
Before moving your organization to Microsoft 365, there are requirements you need to meet, info you need to have on hand, and decisions you have to make.
Choosing the right business subscription
When signing up for Microsoft 365 Business Standard, Microsoft 365 Business Basic, Microsoft Apps for Business or the trial versions, you have two options for how to get started. Evaluate three key factors to choose which best meets your needs:
Which apps and services do you want to use straight away?
How much technical skill do you have?
Do you need Microsoft to act as a processor for your data?

Congratulations on your decision to move your business to the cloud with Microsoft 365! Whether you have one person in your business or 20, doing a little planning will help you get the most out of Microsoft 365 for business.
Info to have on hand before you run the setup wizard
When you're ready to run the setup wizard and move your domain to Microsoft 365, here's the info you'll need to have on hand:
List of people you want to add to Microsoft 365. Even if you've already added them to Microsoft 365, if you're updating your domain information, you need to enter their names here.
How you're going to notify your employees of their user ID and password so they can sign in. Are you going to call them with the info? Or send it to their personal email address? They won't have access to their email, so you can't use that.
If you have a domain name for your organization (such as contoso.com) and you plan on using Microsoft email, you'll need to know where your domain is registered and have sign-in information.
What happens when you run the Microsoft 365 setup wizard
The setup wizard walks you through installing the apps in Microsoft 365 on your computer, adding and verifying your domain, adding users and assigning licenses to them, and connecting your domain.
If you need to Assign admin roles in Microsoft 365 for business to the users you add in the wizard, you can do that later on the Users page.
If you don't complete the setup wizard, you can complete setup tasks at any time from admin center > Setup . From here you can migrate email and contacts from another email service, change the domain of your admin account, manage your billing information, add or remove users, reset passwords, and do other business functions. When not to use the setup wizard: Active Directory synchronization and hybrid environments
There are a couple of scenarios that include either migrating data or users from on-premises environments or setting up a hybrid system that includes directory synchronization. If you're in either category, follow the instructions in these articles:

Move to Microsoft 365 all at once or in stages
Do you want to move your organization to Microsoft 365 all at once? If so, then plan to move your domain to Microsoft 365 right away. Start by running the Microsoft 365 setup wizard; it will prompt you to set up your domain.
Do you want to move to Microsoft 365 gradually? If you want to move to Microsoft 365 in stages, then skip running the Microsoft 365 setup wizard and consider adopting Microsoft 365 features in the following order:
Add your employees to Microsoft 365 so they can download and install the apps.
Download and install the Microsoft 365 productivity apps to use Word, Excel, and PowerPoint on your computer and devices.
Set up Microsoft Teams to use for your meetings.
Move your content to Microsoft 365 cloud storage (OneDrive or SharePoint team sites).
When you're ready, in the admin center , select Setup in the left navigation pane, and use the Setup page to move your domain and email .
Check that your devices meet system requirements
Each person in your organization can install the Microsoft 365 productivity apps (Word, Excel, PowerPoint, and so on) on up to five PCs and Macs. See the operating system and computer requirements for installing Microsoft 365 for business.
Mobile apps can be installed on iOS, Android, and Windows devices. You can find information on mobile device and browser support in System requirements for Microsoft 365 .
Plan for email
If you're planning to move from an existing email service to Microsoft 365, it usually takes two days to make the switch.
Plan for email downtime
If you're going to use Microsoft 365 for your email:
To move your business email address (such as [email protected] ) from another email service to Microsoft 365, you need to direct your mail to be delivered to your new Microsoft 365 mailbox. You do this by selecting Migrate your users' data on the Setup page, where we guide you through the updates you need to make at your domain host, step by step.
After you update your domain host, the changes typically take effect in just an hour or two. But be aware that it can sometimes take up to 72 hours for the changes to update across the internet.
Because you might have email downtime, we recommend you plan to switch to Microsoft email during an evening or weekend when you receive fewer emails.
Plan to move your existing email, contacts, and calendar
If you're going to use Microsoft 365 for your email account, you can bring your existing email, contacts, and calendar with you. The Setup page helps you move your existing email and contacts for most scenarios. We also have step-by-step guides to move one or many mailboxes.
Plan for file storage and migration
Microsoft 365 provides cloud storage for individuals, small organizations, and enterprises. For guidance about what to store where, see Where you can store documents in Microsoft 365 .
You can move hundreds of files to OneDrive or to a SharePoint team site . You can upload 100 files at a time. Avoid uploading files larger than 2 GB, which is the maximum file size by default.
If you want to move several thousand files to Microsoft 365 storage, review the SharePoint in Microsoft 365 Limits . We recommend that you use a migration tool or consider hiring a partner to help you with the migration. Plan for Teams
You can use Microsoft Teams to make calls to other people in your organization who are on your subscription. For example, if your organization has 10 people, you can call and IM each other using Teams without any special setup. For more information, see Get started with Microsoft Teams .

Plan for integration with Active Directory or other software
Do you want to integrate with your on-premises Active Directory? You can integrate your on-premises Active Directory with Microsoft 365 by using Microsoft Entra Connect. For instructions, see Set up directory synchronization for Microsoft 365 .

Create an office layout diagram
An office layout in Visio is an overhead view of an office space, complete with walls, windows, doors, furniture, and so on. That space could be a single office, or several offices.
In the Categories list, click the Maps and Floor Plans category.
Double-click the Office Layout template.
By default, this template opens a scaled drawing page in landscape orientation.
If the default drawing scale is not right for your purposes, you can change it to other standard scales or your own custom scale.
Change the drawing scale
Right-click the page tab at the bottom of the drawing area, and then click Page Setup .
In the Page Setup dialog, click the Drawing Scale tab.
Choose one of the pre-defined scales, or select Custom Scale and set your own.
If you add more pages to your diagram, you can set a different drawing scale for each page.
Create the wall structure
You can create the wall structure by using Room shapes and Wall shapes. A good way to work is to use a Room shape to create the basic exterior wall structure of your building, and then add Wall shapes to create individual offices.
Using Room shapes
In the Shapes window, click the title bar of the Walls, Doors and Windows stencil.
Drag one of the Room shapes onto the drawing page.
Resize the room by dragging the control handles and selection handles on individual walls.
Using Wall shapes
Drag Wall shapes onto the drawing page. Resize a wall by dragging an endpoint.
The wall's length is displayed when the wall is selected and is updated when the wall is resized.
Drag an endpoint of one wall to any point on another wall. The endpoint changes color when the walls are glued.
Intersections between two walls are cleaned up automatically.
Add doors and windows
Drop door and window shapes on top of walls. The door or window rotates to align with the wall and fits itself inside the wall, displaying its current size. You can change the size of the door or window by dragging an end point.
Use guides to align room features
If you want the ends of objects across the room from each other to be aligned, such as two windows that face each other, drag a guide onto the drawing where you want the ends to align. A guide is a straight line that goes across the drawing page. By default, shapes snap to guides, so when you drag the shapes close to the guide, they snap into position aligned with each other. Drag guides out from the rulers along the edges of the drawing area:
Hold the mouse pointer over the horizontal or vertical ruler along the edge of the drawing area.
Click and drag out toward the page. A guide will appear on the page.
To delete a guide, select it and then press DELETE.
Furnish the office
Add cubicles, office furniture, and office equipment by dragging shapes from the stencils onto the drawing page.
If you know the real-life dimensions of the furniture you will use, you can set the furniture shapes to be correctly scaled to the room size by using the Size & Position window to specify the exact height and width of the item:
On the View tab, in the Show group, click Task Panes , and then click Size & Position .
On the drawing page, select the shape whose dimensions you want to set.
In the Size & Position window, change the Width and Height properties to match the real size of the item as seen from overhead, and then press ENTER.

Office 365 Family and Business Outlook email together
I have an Office 365 Family subscription, which I shared with my wife. My wife is starting a small business and wants to subscribe for Outlook Business Email only Plan. Will she be able to use the Business Outlook AND the Family Office 365 on the same PC? Appreciate your help.

I am fortunate to hear you share with me the good news that your wife is starting a business and wish you all the best!
I need to clarify the following for you regarding your desire to use Business Outlook and Family Office 365 on the same computer:
Because Business Outlook is for businesses and Family Office 365 is for personal accounts, the only way to use Business Outlook and Family Office 365 on the same computer is if you are logged in to two different accounts using two different software (e.g., the Office apps are logged in to your Office 365 Family account, and Outlook is logged into your Business account).
So if you want to use a personal and home only account on the same computer and use Outlook for Business at the same time, it is not possible to do so.

Managing your daily tasks with Microsoft Planner
Meet Diego, a Product Manager who uses Microsoft Planner and Microsoft Copilot to create, manage, and track his day-to-day work across Microsoft 365 apps. With Planner, Diego stays on top of his projects and accomplishes more every day.
A day in the life of a Product Manager using Microsoft Planner
Diego starts by checking the My Day view in Planner for a quick view of everything he needs to get done today. He sees a new task from his manager, " New product competitive analysis ," marked urgent. To complete it, Diego first needs to perform market research—right after the weekly staff meeting. Diego adds a new task to address this later.
After the meeting, Diego checks the My Tasks view in Planner to see other tasks due this week.
He starts with Flagged Emails . Planner has already created tasks for these, so Diego knows what to prioritize. Next, he selects Assigned to me to see all his tasks from across Planner plans, Microsoft Teams, and Microsoft Loop in one view. He sees a task that a coworker assigned to him. His coworker is adding him to a Sprint Planning workstream for the new product.
Planner shows that another team is leading the Sprint Planning and it’s already in progress. He’s been added as a key contributor.
Diego selects the plan in his My Plans view, where he reviews details such as goals, timeline, and status. By selecting Timeline view,* Diego can see the tasks and timeline displayed visually.
To learn how his contributions fit into Sprint Planning, Diego checks Task Dependencies .* He wants to ensure he’s not blocking anyone from completing their work.
Diego asks Copilot in Planner * to help him break down an assigned tasks into smaller, easy-toaction steps.
While reviewing the Copilot-suggested subtasks , Diego notices that one relies on work from a team spread across time zones. He selects the People view to see the other tasks assigned across the team. Diego notices that his coworker from a previous initiative, Adele, has a related task on the project and she’s only an hour ahead. He messages her using the task’s Teams channel chat to ask his question.
After chatting with Adele, Diego realizes he needs to dedicate two hours of his day tomorrow to the project. He blocks time on his calendar to focus on the deliverable without distractions.
Diego’s team is also in the process of retiring an existing product from market. From My Plans , he selects the "Product Deprecation Plan," and then selects Board view to see all the tasks his team is responsible for.
To visually track tasks, Diego previously created buckets for each phase of the product deprecation process. He adds a task to the “Executing” bucket, so he’ll remember to conduct a team orientation.
Diego completes the market research he started this morning, so he finalizes the analysis report for his manager.
Before heading home, Diego selects the My Tasks view one last time to confirm he has accomplished everything he needed to. Diego signs off, feeling great about his progress today.

Trial plans include Microsoft 365 Business Basic, Business Standard, Business Premium, or Microsoft 365 Apps for business. Get full access to the apps included in the selected plan at no cost for the first 30 days, for up to 25 users. After 30 days, your free trial will automatically convert to a paid subscription, and the subscription price will be charged to the payment method you provided at sign-up. Once your trial converts to a paid subscription, you’ll be able to adjust plan options, add more users, or switch to another plan that better suits your needs.
How many users can I add during the free trial of Microsoft 365 for business?
Add up to 25 users during the trial period. Each user can install Microsoft 365 apps on up to five PCs or Macs, five tablets, and five mobile devices. After the trial period ends, add more users if needed.
