How to Organize Information When You Present in English

Here is a very simple way to think about the organization of your presentation.

In this example, weā€™ll imagine a 15-20 minute presentation with 3 Key Points:

How you present yourself to others makes an enormous difference in how you view yourself. With the right mindset, confidence, look and behavior you can improve your self-image and feel your best. Take a look at the tips in this article and change your life for the better.

Improving Your Look

Step 1 Stay fit.

  • Simple dietary changes can lead to massive improvements in your overall health and look. Focus on eating more healthy foods, like lean proteins (salmon, chicken breast, soy beans), fresh fruits and vegetables (cranberries and avocados are loaded with nutrients), and healthy grains (brown rice).
  • Avoid trans fats and foods high in sodium. Cutting fast food and soda out of your diet will help.
  • Jogging is a fun and easy way to exercise and stay fit that doesnā€™t require equipment or a health club membership. Get a friend to tag along and keep each other motivated.

  • Maintaining eye contact when you talk to someone assures them that youā€™re invested in what they have to say and that you respect them. This reflects well on you.

Step 1 Be gracious and polite.

Step 4 Be assertive.

  • When encountering new people, find a balance between shyness and assertiveness. Make an effort to introduce yourself to people but donā€™t force your way into conversations. Be aware of peopleā€™s body language.

We understand that giving a professional presentation in English becomes a particularly anxiety-inducing task when youā€™re not a native speaker. However there are some rules of presenting that transcend languages. Here are our top eight tips to help you give a great presentation:

1. Be prepared

Thorough research and preparation is key. Become an expert on your subject. The more you know about the topic youā€™re speaking about, the easier it will be for you to speak confidently. If youā€™re unprepared, your audience will know it and will likely tune you out.

2. Practice makes perfect

Like anything, the more you practice, the easier it becomes. Start by practicing in front of a mirror. Pay attention to your English pronunciation, but also make note of your eye contact, gestures and body language. Remember to stand up straight and look your audience in the eye. One youā€™ve mastered your presentation in front of the mirror, itā€™s time to practice with a real audience. Running through your presentation with a friend or family member can be a great way to build your confidence and help you memorize your material. Nerves can often make a presenter speak too quickly, so take a deep breath and time yourself to ensure youā€™re not rushing through important information.

3. Tell a story

Everyone enjoys a good story, and youā€™re far more likely to engage your audience if youā€™re able to weave your information into a memorable narrative. Keep focused on your topic, but draw your audience in by conveying your message with passion and purpose.

4. Less is more

Donā€™t bore your audience by giving them big paragraphs or long lists of bullet points. If youā€™re using PowerPoint as part of your presentation, consider using pictures and short phrases instead of full sentences or paragraphs to illustrate your point. Relying on these as prompts while youā€™re presenting will help you to speak naturally, rather than read to your audience.

A bold speaker is a memorable one. Maintain your audienceā€™s interest by making a big statement or including a funny anecdote thatā€™s relevant to your topic. Everyone loves to laugh, and youā€™ll make a positive impression if you can hold your audienceā€™s attention with a little humor

6. Move around

Be natural and connect with your audience. Donā€™t hide behind a table or rely on a podium to hold you up. Use gestures to emphasize important points and exude positive body language at all times.

7. Avoid tech problems

Technical difficulties on a presentation day can happen, so be prepared. While some issues are unavoidable, you can guard against them by having a back up plan. Wherever possible, donā€™t rely on the internet. Instead, take screen shots and bring downloaded files.

8. Anticipate questions

Expect that people may ask questions or need clarification on some points. Try to anticipate what might be asked and prepare some answers in advance, so you wonā€™t be caught off guard. If you donā€™t know how to respond to a question immediately, you can always invite the questioner to meet with you after the presentation.

In a middle-senior position, some personal details are essential to creating a bond, as the employer is looking for someone that they can work with, that they can bring into the team.Ā

3. Career (where have you worked and what have you done there)

As in a CV, there is no need to present all the jobs you had had. Choose those who are relevant to the job you are applying and if you are specifically fond of one, you can mention it.Ā 

Pick 3 or 4 previous positions, mention the company you worked for, and from there you can extend to your main responsibilities and key learnings. It is important to present them as part of your story, not just bullets on the slide and we also recommend making a connection between those positions and the one you are applying for.Ā

4. Achievements and Training

This can be a slide or two slides sections. To differentiate yourself from other candidates, ensure the achievements you are listing focus on the results rather than your duties. Quantify your achievements through specific situations and the results you gained.

Put out those achievements that would apply to the job and can even enter scenarios on how those situations can help you in the new job.Ā

With all the experience you have and the research done on the company and the job, this is the time to tell your interviewers what is your vision of the company.Ā 

Using the skills you presented, explain how can you be an asset to them and what value will you add to the company.Ā

All the stories have built up the person standing right now in front of the committee. What they want to know now is what actions you would take if you got the position. Donā€™t go after some revolutionary actions, keep your feet on the ground and analyze what are the needs of the company and what can you do about them.

For every action you put on the presentation, think of the small steps and the resources you need to do that action. As a follow-up to this slide, have prepared a few notes with the results you are expecting from them.Ā

You arrived at the final slide, inviting your audience to a small Q&A while the reference is still displayed. They already have your contact info, but itā€™s recommended to put it on the final slide. Have the presentation ready to be sent to the committee if necessary.Ā

Few of us feel entirely comfortable writing a presentation. There is something very daunting for many people about the process of moving your thoughts from your head to paper (or a series of slides on the computer).

However, there are things that you can do to help yourself. These include knowing your material well and taking time to consider what you want to say.

This page provides advice on how to write a presentation. It discusses the initial writing, and then also explains how to review and edit your work. This will help to ensure that your presentation is as effective as possible.

Before you start...

Before you start to write your presentation, you need certain information: the objective, the subject, and details of the audience, for example. For more about this, see our page on Preparing Your Presentation .

Based on the information you have gathered, you should also have started to develop your ideas and select the main points to include. For more about this, see our page on Organising Your Material .

Some basic starting points

There are two really important things to remember when starting to write a presentation:

1. Give your presentation an introduction, a main message, and a conclusion.

Some people summarise this as ‘say what you’re going to say, say it, then say what you’ve said’ .

However, that is not the whole story. Your introduction needs to ‘set the scene’ a bit and give a broad outline of what you are going to cover in your presentation. If you are using presentation software such as PowerPoint, this should be a single slide. Your conclusion needs to sum up and present your main message to your audience, probably again in a single slide.

If you are taking questions after your presentation, and you are using PowerPoint, you will probably have a slide up on the screen during questions. You could, of course, have a final slide that says something like “Thank you for listening, any questions?”, or gives your contact details.

However, you could also leave up a final slide that highlights your conclusions.

This will help to ensure that your key messages remain in the minds of your audience.

2. Think about using stories to get your message across

We are hard-wired by thousands of years of evolution to listen to stories. Stories helped us survive by reminding us about important behaviours. We therefore tend to remember them much better than dry lists of facts or bullet points.

It is much easier to work with this than ignore it.

There are two aspects of this.

First, you should try to think about your presentation as telling a story to your audience. What is the point that you are trying to make, and how can you best get it across?

Second, it is helpful to use stories as part of your presentation . For example, if you start by telling a story or anecdote, it will act as a ‘hook’ to draw in your audience. You can also use stories to illustrate each point you want to make. Of course, your story has to link to your main message, because you can pretty much guarantee that your audience will remember the story much longer than the conclusion!

Structuring Your Presentation

The structure and content of your presentation will of course be unique to you.

Only you can decide on the best way to present your messages.Ā  However, you might like to consider some standard presentation structures for inspiration:

1. Harnessing the Power of Three

In public speaking and rhetorical debate, as well as in much communication, three is a magic number.Ā  The brain finds it relatively easy to grasp three points at a time.

People find three points, ideas or numbers, easier to understand and remember than four or more.Ā 

You could therefore structure your presentation using the magic number of three.

For example, your presentation should have three main elements: the introduction, middle and conclusions. Within the main body of your presentation, divide your key message into three elements and then expand each of these points into three sub-points.Ā  If you are using a visual aid such as PowerPoint, limit the number of bullet points to three on each slide and expand on each of these as you go along.

What should you do if you have more than three points to make?

Reduce them until you don’t have more than three points!

Your audience will probably only remember three of your five or six points anywayā€”but which three? Do the work for them, and identify the three most important points, and leave the others out.

2. What, Why, How?

An alternative structure uses the questions “What?”, “Why?” and “How?” to communicate your message to the audience. In a way, this also harnesses the power of three, but is a special case for driving action.

“What?” identifies the key message you wish to communicate. Think about the benefit of your message for your audience. What will they gain, what can they do with the information, and what will the benefit be?

“Why?” addresses the next obvious question that arises for the audience .Ā  Having been told “what”, the audience will naturally then start to think “why should I do that?”, “why should I think that?” or “why should that be the case?”. Directly addressing the “why?” question in the next stage of your presentation means that you are answering these questions and your talk is following a natural route through the material. This will ensure that you have the audience on your side immediately.

“How?” is the final question that naturally arises in the audience’s mind . They want to know how they are going to achieve what you have just suggested.Ā  Try not to be too prescriptive here. Instead of telling people exactly how they should act on your message, offer suggestions as to how they can act, perhaps using examples.

You should try to back up what you say with evidence. You can use case studies, personal examples or statistics here, but try to ensure that you use them in the form of stories.

Editing Your Content

Once you have a first draft of your presentation, it is important to review and edit this.

This will help to ensure that it really does get your message across in the most effective way.

When editing presentation content, you should consider:

The language . Make sure that what you are saying will be clear to your audience. Remove any jargon and try to use plain English instead. If necessary, explain terms when you first use them.

Sentence structure .Ā  Use short sentences and keep the structure simple. Remember that you will be talking through your ideas and that the audience will be listening rather than reading.

The flow . Make sure that your presentation structure leads your audience through your ideas and helps them to draw your conclusion for themselves.

Use metaphors and stories to aid understanding and retention.

‘Hooks’ to get and hold the audience’s attention . Ensure that you have included several ‘hooks’ at various points in the presentation. This will help you to get and then keep the audience’s attention. These might be stories, or audience participation, or some alternative visual aids , such as a short video.

Check, and double check, for spelling and grammar . Make sure that any presentation slides or illustrations, titles, captions, handouts or similar are free from spelling mistakes.

Ideally, you should take a break from the presentation before editing so that you can look at your writing with a fresh pair of eyes.

You might also want to ask a friend or colleague to have a look, particularly at the flow and the language. If possible, ask someone who is not familiar with the material .

A final thought

The actual writing of your presentation is really the final stage of your preparation.

If you have done your homework, you will already be clear about the reason why you are presenting, the subject matter, and the main points you want to make. Actually putting it down on paper should therefore be relatively straightforward.

Giving a presentation in English can be challenging, but with these helpful phrases, you can feel confident and ready to make a good presentation in English.Ā 

Starting your presentation

So how to start a presentation in English? Begin by saying hello and welcoming everyone. You can also thank the audience for being there with you.Ā 

The beginning of the presentation is one of the most important parts because you need to make sure your audience is interested from the start.Ā 

You could tell a short story, give a fact, or simply tell the audience a little bit about yourself, e.g. ā€˜ Let me start by telling you a little bit about myself ā€¦ā€™Ā 

Then, introduce what your presentation is about by giving an opening statement or an overview of your session. For example, ā€˜Today, I am going to talk to you about ā€¦’ or, ‘Today, weā€™ll be looking at/focusing on ā€¦’.Ā 

You can also tell the audience, ā€˜ If you have any questions, please raise your hand and Iā€™ll be happy to answer themā€™ ā€¦ or ‘ Weā€™ll have time at the end for questions.ā€™

Presenting the topic

When you get into the main part of giving your presentation in English, remember that what youā€™re saying to your audience is new information. Speak slowly, organise your ideas, and make sure your pronunciation is clear. You can learn more about boosting your pronunciation here .Ā 

Use expressions to order your ideas and introduce new ones. You can use words and phrases to sequence like, firstly/first of all, secondly, then, next, following this, and lastly/finally.Ā 

If you want to introduce the opposite point of view, you can use language like however, on the other hand, contrary to this and then again.Ā 

Itā€™s a good idea to link what you are saying back to previous things you have said. This shows you have a well-organised presentation and also helps keep people engaged. For example, ‘as I said previously/at the beginning ā€¦’, ‘as you may remember’ and ‘this relates to what I said about ā€¦.’

Highlighting information during your talkĀ 

When you are giving a presentation in English, you might want to highlight a particular piece of information or something thatā€™s important. You can use phrases such as ā€˜Letā€™s focus on ā€¦ā€™, ā€˜I want to highlight ā€¦ā€™, Ā  ā€˜Pay attention to ā€¦ā€™, ā€˜Letā€™s look at ā€¦ā€™, ā€˜I want to briefly address ā€¦ā€™, or ā€˜Now, letā€™s discuss ā€¦.ā€™ You can use these phrases after your sequencing words to help you with your structure.Ā 

You can also highlight information by asking your audience their opinion of what you are saying or having them engage with the presentation in some way. For example, you could ask a question and have the audience raise their hands if they agree, or disagree, or if you want to find out how many of them have experience with the situation youā€™re discussing. Asking questions is a good way to make sure you still have the audienceā€™s attention after youā€™ve been speaking for a while.

You can also highlight information on your visuals if youā€™re using them. Use bright, impactful pictures and colours, and donā€™t include too much writing on your slides.Ā Ā 

Finalising the talkĀ 

At the end of the presentation, you should summarise your talk and remind the audience of the things you have discussed, and the new information you have given them. You can say things like ā€˜In summary, we have looked at ā€¦ā€™, ā€˜Iā€™d like to finish by ā€¦ā€™, and ā€˜Weā€™re coming to the end of the presentation. Weā€™ve discussed ā€¦ā€™.Ā 

You can then ask the audience for any questions you havenā€™t already answered.Ā

What is a Presentation?

A presentation communicates a message, an idea or information to a group. It is similar to a report, but with a key differenceā€“the human element. A presentation conveys the speakerā€™s personality and enables immediate interaction among all participants.

Objectives of Presentation

The main objectives of a presentation are:

To Persuade

To motivate, to entertain.

A presentation is created to convey some information to a group of people. For example, a presentation may display an organisationā€™s quarterly performance.

Most training programmes in organisations are done through the presentation mode. Such instructional presentations convey a lot of information and are created with instructional design principles to keep the audience engaged for a long period.

Some presentations are used to convince a group of people to accept a particular idea and/or make a certain choice.

The growing popularity of TED Talks indicates how a presentation can be a powerful motivation tool. These presentations trigger emotions and inspire people to act.

Presentations can also be used to celebrate an event. For example, a farewell presentation of a colleague can be used to narrate the story of his/her overall tenure, experiences and achievement in the organisation.

Main Elements of Presentation

A presentation is said to be effective if it has three main elements, which are as follows:

  • Specific content : This refers to the information that a presentation will comprise. The information must be conveyed effectively so that it is absorbed by the audience in one sitting. It should be relevant and meaningful to them.
  • Audience : A presentation should be targeted for a specific group of audience who share the same purpose and have a similar level of pre-knowledge.
  • Presenter: The presenter should act as the advocate of the information. If his/her conviction and passion in the message are clearly articulated, the audience will also pay attention to the subject.

Important Presentation Skills

In todayā€™s business environment, presentation skills are requisite in almost every professional arena. Employees are often required to give presentations on the targets achieved by them. A presentation can be effective if it is carefully planned and prepared.

However, delivering presentations is not always easy for every individual. Some people take presenting as a probable opportunity to showcase skills, while others find it a challenging task. To provide an effective presentation, a presenter must possess some abilities.

Some of them are explained as follows:

Analytical ability

Effective communication ability, creative ability, good interpersonal skill, sound time management, problem-solving ability, a sense of humour.

It refers to a calibre which empowers an individual to collect, organise, visualise and comprehend data. Such skills enable a person to look at related patterns, draw conclusions and find solutions to problems. In addition, sound analytical skills also enable an individual to forecast future trends using various techniques such as brainstorming, forecasting, data mining and metrics interpretation.

Communication entails much more than mere talking to the audience. To communicate effectively during a presentation, one ought to showcase information lucidly. During a presentation, a person should not just have a good set of slides together; rather he needs to engage and strike a chord with the audience to transmit the intended message.

It refers to the ability to present things in a creative way that have not been explored earlier. Creative skills in presentation enable an individual to invent or develop something path-breaking, such as a new concept, unique way out from a problem, a method, a work of art or new machinery, etc.

It encompasses how an individual portrays or presents himself to the audience and builds a rapport with the audience. During a presentation, sound interpersonal skills empower a speaker to interact, communicate and collaborate with the audience effectively.

Interpersonal skills are prevalent across all personal and professional interactions between people. Interpersonal skills entail empathy, active listening and emotional intelligence.

While delivering a presentation, a person should manage time effectively, set a presentation schedule and end a presentation within a stipulated time. If a presentation is long, there are chances the audience may lose interest and the message may not be delivered.

A speaker cannot expect audience to actively listen to the presentation for hours. At the start of presentation, a speaker should aim to grab audienceā€™s attention and allocate time for questions and answers at the end.

Problem-solving is a requisite skill for a presentation. During a presentation, the audience may ask the speaker any kind of questions. On the other hand, it is important for the speaker to provide an appropriate answer to the audience to make the presentation successful.

A sense of humour is crucial to deliver a quality presentation to make the environment light and engaging. Appropriate usage of light jokes relieves stress and holds the attention of an audience, which makes the presentation a memorable experience for both the speaker and the audience.

Evaluation Wheel

Evaluation wheel is a creative and effective tool that accumulates information on outcomes in a simple and accessible manner. A presenter can opt for the evaluation wheel tool to show the outcomes of the research or reports. This tool is used to provide various types of information and journeys of change within the organisation.

It offers a visual representation of progression and results in the form of a spider diagram. The evaluation wheel measures the exact outcomes for a programme at the start and end. It also helps educators, designers to comprehend information systematically. Figure shows an example of evaluation wheel:

Figure states the scale questionnaire in a circle form wherein respondents will analyse the instances from their discretion and experience and give rating on a scale of 1 to 5.

For instance, service users are appropriately involved. In this case, if the respondent strongly agrees, he/she will give 5 rating and if he/she does not agree, he/she will give 1 rating. The centre of the circle is for 1 and as the respondent agrees, they reach out to edge for 5 rating.

Ps of Presentation

Even the most powerful presentation may fail if the presenter comes unprepared. A presentation is both a mental and a physical effort. There are Ps of presentation that provide a checklist to the presenter for ensuring that the presentation is well-constructed and clear so that the audience gets the message. These four Ps are explained as follows:

A thoroughly prepared presentation captivates the interests of the audience. The topic or content of the presentation must be thoroughly researched. No one would develop interest in a vague or equivocal presentation. A speaker can make use of stories or relatable examples and quote references to give more depth to the presentation and make it intriguing.

Apart from that, it should be ensured that only important points are highlighted in bullets or using other graphical elements. Providing too much of theory or full sentences can create boredom for the audience.

While preparing for a presentation, the presenter should include the following sections:

  • Introduction : This section includes the name of the topic and the purpose of the presentation.
  • Body : This section contains the main content of the presentation; thus, it must be prepared in a well-organised manner.
  • Summary : It provides a recap of the content of the presentation. It outlines the most important points of the presentation to ensure the key message is retained by the audience.

Practice will make a man perfect is an adage that is appropriate across all spheres of life. It helps a speaker become familiar with his/her own voice, words and phrases and adjust accordingly. By practising thoroughly, a speaker can explore how to fit different pieces of information together and practise transition.

Also, a speaker should make notes wherever required as a part of presentation support. Using an index card is a common form of note-taking that provides a quick glimpse of important points.

While delivering a presentation, the speaker needs to demonstrate confidence in front of the audience. The speaker must be polite, but not apologetic in situations, such as if the session is running overtime or the microphone has stopped working.

Instead he/she should expect and ask for discipline and attention. It is important for a speaker to engage with the audience during the presentation in order to assure them that he/she is genuinely interested in talking to them. 4. Pace, pitch and pause: A presenter should deliver the presentation in an easy-to-follow pace and try changing the pace to enliven the presentation.

For example, pauses can be taken intentionally between main points to reinforce them. Along with pace, pitch is equally important. Just as pace varies in normal conversations, it should be used effectively during presentations too. For example, when asking a question, the presenter can raise the pitch and can lower it down when explaining a point.

Four Cornerstones of Making Memorable Presentations

The most crucial aspect of delivering an effective presentation is that the speaker should appear confident and the speech should look effortless. Presentations are a source of anxiety for many individuals. However, getting well-prepared before delivering a presentation can reduce this feeling considerably and ease apprehension.

There are a number of ways to overcome feelings of anxiety, stress and stage fright before the presentation in order to appear confident in front of the audience. The four cornerstones of making a memorable presentation are provided in the upcoming sections.

Know Yourself

Know your material, know your purpose, know your audience.

A presenter should acknowledge his/her strengths and weaknesses. Accordingly, he/she should decide the style of delivering a presentation. For instance, if a presenter has a great sense of humour and can use it comfortably in the speech, he/she can make the presentation more engaging and interesting.

On the other hand, if the speaker who is an introvert and prefers to talk or engage less, he/she can add visuals in the presentation. Therefore, the trick is whosoever is delivering the presentation should feel comfortable.

Knowing the topic thoroughly is the most important step in preparing and delivering a presentation. A presenter with well-versed knowledge of the topic is bound to feel more confident. One should perform extensive research of the topic using credible websites and surveys.

A presenter with minimal information about the topic will not be able to deliver a memorable presentation; rather, it would create a negative image in front of the audience. A good presentation is one that is centred around the main theme, presents relevant information and stimulates thought.

It is crucial to know the purpose of the presentation. A presenter should be aware of whether the purpose is to create awareness or to build new skills or to change attitudes. For instance, professional firms or businesses use presentations for various purposes such as to create awareness, educate, motivate and persuade internal and external audiences.

Therefore, to prepare a presentation, identify its objective/purpose, determine the method of delivery, formulate a structure, include visual aids and rehearse.

One should know the type of audience and what is their purpose of attending the presentation. For instance, whether they are there for gaining knowledge or learning new skills, etc. The age, culture and knowledge base of the audience help a presenter in designing and delivering his/her presentation effectively and in a manner in which audience can easily understand and relate to.

A well-designed presentation uses visual aids effectively to reinforce the main points and enhance the audienceā€™s level of understanding.

After answering a question from the audience, check that the addressee has understood your answer and is satisfied with it.
