The formal presentation of information is divided into two broad categories: Presentation Skills and Personal Presentation .

These two aspects are interwoven and can be described as the preparation, presentation and practice of verbal and non-verbal communication. 

This article describes what a presentation is and defines some of the key terms associated with presentation skills.

Many people feel terrified when asked to make their first public talk.  Some of these initial fears can be reduced by good preparation that also lays the groundwork for making an effective presentation.

A Presentation Is...

A presentation is a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team.

A presentation can also be used as a broad term that encompasses other ‘speaking engagements’ such as making a speech at a wedding, or getting a point across in a video conference.

To be effective, step-by-step preparation and the method and means of presenting the information should be carefully considered. 

A presentation requires you to get a message across to the listeners and will often contain a ' persuasive ' element. It may, for example, be a talk about the positive work of your organisation, what you could offer an employer, or why you should receive additional funding for a project.

The Key Elements of a Presentation

Making a presentation is a way of communicating your thoughts and ideas to an audience and many of our articles on communication are also relevant here, see: What is Communication? for more.

Consider the following key components of a presentation:

Ask yourself the following questions to develop a full understanding of the context of the presentation.

When and where will you deliver your presentation?

There is a world of difference between a small room with natural light and an informal setting, and a huge lecture room, lit with stage lights. The two require quite different presentations, and different techniques.

Will it be in a setting you are familiar with, or somewhere new?

If somewhere new, it would be worth trying to visit it in advance, or at least arriving early, to familiarise yourself with the room.

Will the presentation be within a formal or less formal setting?

A work setting will, more or less by definition, be more formal, but there are also various degrees of formality within that.

Will the presentation be to a small group or a large crowd?

Are you already familiar with the audience?

With a new audience, you will have to build rapport quickly and effectively, to get them on your side.

What equipment and technology will be available to you, and what will you be expected to use?

In particular, you will need to ask about microphones and whether you will be expected to stand in one place, or move around.

What is the audience expecting to learn from you and your presentation?

Check how you will be ‘billed’ to give you clues as to what information needs to be included in your presentation.

The role of the presenter is to communicate with the audience and control the presentation.

Remember, though, that this may also include handing over the control to your audience, especially if you want some kind of interaction.

The audience receives the presenter’s message(s).

However, this reception will be filtered through and affected by such things as the listener’s own experience, knowledge and personal sense of values.

The message or messages are delivered by the presenter to the audience.

The message is delivered not just by the spoken word ( verbal communication ) but can be augmented by techniques such as voice projection, body language, gestures, eye contact ( non-verbal communication ), and visual aids.

The message will also be affected by the audience’s expectations. For example, if you have been billed as speaking on one particular topic, and you choose to speak on another, the audience is unlikely to take your message on board even if you present very well . They will judge your presentation a failure, because you have not met their expectations.

The audience’s reaction and therefore the success of the presentation will largely depend upon whether you, as presenter, effectively communicated your message, and whether it met their expectations.

As a presenter, you don’t control the audience’s expectations. What you can do is find out what they have been told about you by the conference organisers, and what they are expecting to hear. Only if you know that can you be confident of delivering something that will meet expectations.

How will the presentation be delivered?

Presentations are usually delivered direct to an audience.  However, there may be occasions where they are delivered from a distance over the Internet using video conferencing systems, such as Skype.

It is also important to remember that if your talk is recorded and posted on the internet, then people may be able to access it for several years. This will mean that your contemporaneous references should be kept to a minimum.

Impediments

Many factors can influence the effectiveness of how your message is communicated to the audience.

For example background noise or other distractions, an overly warm or cool room, or the time of day and state of audience alertness can all influence your audience’s level of concentration.

As presenter, you have to be prepared to cope with any such problems and try to keep your audience focussed on your message.

13.6 Creating an Informative Presentation

An informational presentation is common request in business and industry. It’s the verbal and visual equivalent of a written report. Information sharing is part of any business or organization. Informative presentations serve to present specific information for specific audiences for specific goals or functions. The type of presentation is often identified by its primary purpose or function. Informative presentations are often analytical or involve the rational analysis of information. Sometimes they simply “report the facts” with no analysis at all, but still need to communicate the information in a clear and concise format. While a presentation may have conclusions, propositions, or even a call to action, the demonstration of the analysis is the primary function.

A sales report presentation, for example, is not designed to make a sale. It is, however, supposed to report sales to date and may forecast future sales based on previous trends.

An informative presentation does not have to be a formal event, though it can be. It can be generic and nonspecific to the audience or listener, but the more you know about your audience, the better. When you tailor your message to that audience, you zero in on your target and increase your effectiveness. The emphasis is on clear and concise communication, but it may address several key questions:

  • Topic: Product or Service?
  • Who are you?
  • Who is the target market?
  • What is the revenue model?
  • What are the specifications?
  • How was the information gathered?
  • How does the unit work?
  • How does current information compare to previous information?

You will need to address the questions to establish relevance and meet the audience’s needs. The five parts of any speech will serve to help you get organized.

Imagine that you have been assigned to give an informative presentation lasting five to seven minutes. Follow the guidelines in Table 13.3 “Sample Speech Guidelines” and apply them to your presentation.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

Getting the perfect presentation design is just a step toward a successful presentation. For the experienced user, building presentation skills is the answer to elevating the power of your message and showing expertise on any subject. Still, one can ask: is it the same set of skills, or are they dependable on the type of presentation?

In this article, we will introduce the different types of presentations accompanied by the skillset required to master them. The purpose, as always, is to retain the audience’s interest for a long-lasting and convincing message.

Effective communication is the answer to reaching business and academic goals. The scenarios in which we can be required to deliver a presentation are as diverse as one can imagine. Still, some core concepts apply to all presentations.

Archetypes of presentations

Persuasive presentations aim to convince the audience – often in short periods – to acquire a product or service, adhere to a cause, or invest in a company. For business entrepreneurs or politicians, persuasive presentations are their tool for the trade.

Unless you aim to be perceived as an imposter, a proper persuasive presentation has the elements of facts, empathy, and logic, balanced under a well-crafted narrative. The central pillar of these presentations is to identify the single factor that gathered your audience: it could be a market need, a social cause, or a revolutionary concept for today’s society. It has to be something with enough power to gather critiques – both good and bad.

That single factor has to be backed up by facts. Research that builds your hypothesis on how to solve that problem. A deep understanding of the target audience’s needs , concerns, and social position regarding the solution your means can offer. When those elements are in place, building a pitch becomes an easy task.

In the case of instructional presentations, we ought to differentiate two distinctive types:

  • Lecture Presentations : Presentations being held at universities or any other educative institution. Those presentations cover, topic by topic, and the contents of a syllabus and are created by the team of teachers in charge of the course.

After discussing the different kinds of presentations we can come across at any stage of our lives, a group of presentation skills is standard in any type of presentation. See below what makes a good presentation and which skills you must count on to succeed as a presenter.

Punctuality

Punctuality is a crucial aspect of giving an effective presentation. Nothing says more about respect for your audience and the organization you represent than delivering the presentation on time . Arriving last minute puts pressure on the tech team behind audiovisuals, as they don’t have enough preparation to test microphones, stage lights, and projector settings, which can lead to a less powerful presentation Even when discussing presentations hosted in small rooms for a reduced audience, testing the equipment becomes essential for an effective presentation.

A solution for this is to arrive at least 30 minutes early. Ideally, one hour is a sweet spot since the AV crew has time to check the gear and requirements for your presentation. This gives insights about how to resonate with the public, and their interest, and how to accommodate your presentation for maximum impact.

Body Language

Our bodies can make emotions transparent for others, even when we are unaware of such a fact. Proper training for body language skills reduces performance anxiety, giving the audience a sense of expertise about the presented topic. 

Give your presentation and the audience the respect they deserve by watching over these potential mistakes:

  • Turning your back to the audience for extended periods : It’s okay to do so when introducing an important piece of information or explaining a graph, but it is considered rude to give your back to the audience constantly.
  • Fidgeting : We are all nervous in the presence of strangers, even more, if we are the center of attention for that moment. Instead of playing with your hair or making weird hand gestures, take a deep breath to center yourself before the presentation and remember that everything you could do to prepare is already done. Trust your instincts and give your best.
  • Intense eye contact : Have you watched a video where the presenter stared at the camera the entire time? That’s the feeling you transmit to spectators through intense eye contact. It’s a practice often used by politicians to persuade.
  • Swearing : This is a no-brainer. Even when you see influencers swearing on camera or in podcasts or live presentations, it is considered an informal and lousy practice for business and academic situations. If you have a habit to break when it comes to this point, find the humor in these situations and replace your swear words with funny alternatives (if the presentation allows for it). 

Voice Tone plays a crucial role in delivering effective presentations and knowing how to give a good presentation. Your voice is a powerful tool for exposing your ideas and feelings . Your voice can articulate the message you are telling, briefing the audience if you feel excited about what you are sharing or, in contrast, if you feel the presentation is a burden you ought to complete.

Remember, passion is a primary ingredient in convincing people. Therefore, transmitting such passion with a vibrant voice may help gather potential business partners’ interest.  

But what if you feel sick prior to the presentation? If, by chance, your throat is sore minutes before setting foot on the stage, try this: when introducing yourself, mention that you are feeling a bit under the weather. Tech Skills

  • A PDF not opening
  • Saving your presentation in a too-recent PowerPoint version
  • A computer not booting up
  • Mac laptops and their never-ending compatibility nightmare
  • Not knowing how to change between slides
  • Not knowing how to use a laser pointer
  • Internet not working
  • Audio not working

We can come up with a pretty long list of potential tech pitfalls, and yet more than half of them fall in presenters not being knowledgeable about technology.

If computers aren’t your thing, let the organization know about this beforehand. There is always a crew member available to help presenters switch between slides or configure the presentation for streaming. This takes the pressure off your shoulders, allowing you to concentrate on the content to present. Remember, even Bill Gates can get a BSOD during a presentation .

Presentations, while valuable for conveying information and ideas, can be daunting for many individuals. Here are some common difficulties people encounter when giving presentations:

Presenting to diverse audiences requires sensitivity to cultural differences and varying levels of familiarity with the topic.

In this section, we gathered some tips on how to improve presentation skills that can certainly make an impact if applied to your presentation skills. We believe these skills can be cultivated to transform into habits for your work routine.

Tip #1: Build a narrative

One memorable way to guarantee presentation success is by writing a story of all the points you desire to cover. This statement is based on the logic behind storytelling and its power to connect with people .

Don’t waste time memorizing slides or reading your presentation to the audience. It feels unnatural, and any question that diverts from the topic in discussion certainly puts you in jeopardy or, worse, exposes you as a fraud in the eyes of the audience. And before you ask, it is really evident when a presenter has a memorized speech. 

Build and rehearse the presentation as if telling a story to a group of interested people. Lower the language barrier by avoiding complex terms that maybe even you aren’t fully aware of their meaning. Applying this technique makes the presentation feel like second nature to you. It broadens the spectrum in which you can show expertise over a topic or even build the basis for new interesting points of view about the project.

Tip #2: Don’t talk for more than 3 minutes per slide

It is a common practice of presenters to bombard the audience with facts and information whilst retaining the same slide on the screen. Why can this happen? It could be because the presenter condensed the talk into very few slides and preferred to talk. The reality is that your spectators won’t retain the information you are giving unless you give visual cues to help that process. 

Opt to prepare more slides and pace your speech to match the topics shown on each slide. Don’t spend more than 3 minutes per slide unless you have to introduce a complex piece of data. Use visual cues to direct the spectators about what you talk about, and summarize the principal concepts discussed at the end of each section.

Tip #3: Practice meditation daily

Anxiety is the number one enemy of professional presenters. It slowly builds without you being aware of your doubts and can hinder your performance in multiple ways: making you feel paralyzed, fidgeting, making you forget language skills or concepts, affecting your health, etc.

Meditation is an ancient practice taken from Buddhist teachings that train your mind to be here in the present. We often see the concepts of meditation and mindfulness as synonyms, whereas you should be aware that meditation is a practice that sets the blocks to reach a state of mindfulness. For presenters, being in the here and now is essential to retain focus, but meditation techniques also teach us to control our breathing and be in touch with our body signals when stress builds up. 

The customary practice of meditation has an impact on imagination and creativity but also helps to build patience – a skill much needed for connecting with your audience in instructional presentations.

Having the proper set of presentation skills can be quite subjective. It goes beyond presentation tips and deepens into how flexible we can be in our ability to communicate ideas.

Different presentations and different audiences shape the outcome of our efforts. Therefore, having a basic understanding of how to connect, raise awareness, and empathize with people can be key ingredients for your career as a presenter. A word of advice: success doesn’t happen overnight. It takes dedication and patience to build communication skills . Don’t condition your work to believe you will be ready “someday”; it’s best to practice and experience failure as part of the learning process.

How to Structure a Presentation

Choosing the best format for your audience.

Have you ever sat through a rambling, disorganized presentation? If so, you probably found it hard to follow what the speaker was saying.

When presentations don't flow well, it's easy for audiences to get lost. This is why it's important to think carefully about the structure and organization of your presentation.

In this article, we'll explore some common structures that you can use next time you speak in front of other people.

The Importance of Structure

Without a defined structure, your audience may not be able to follow your presentation. When this happens, your opportunity is lost, the communication fails, and your reputation takes a hit. For example, if your aim is to persuade people, you'll want to use a different approach from the one you'd use if you wanted to demonstrate how a product works.

Many factors can influence your choice of structure, but the most important consideration is your presentation's purpose or goal. You need to identify what you want to achieve – do you want to inspire, motivate, inform, persuade, or entertain people?

Your audience's needs also affect the structure you choose. For example, those who are new to your topic need more background information than people with more expertise and experience. So, in this case, you'd want to choose an approach that gives you ample time to explain the context of your subject, as well as to reinforce your main points.

Structures to Consider

Below, we outline several structures that you can use to organize your presentation.

1. Open – Body – Conclusion

The Open – Body – Conclusion approach is one of the most practical structures you can use for presentations. (Click here to download a worksheet that helps you use it.)

People often call it the "tell 'em" approach, because you:

  • Tell audience members what you're going to tell them (introduction).
  • Tell them (body).
  • Tell them what you told them (conclusion).

This structure is simple, effective and easy to remember. Its repetitive nature allows you to reinforce your points, which helps others remember them. It is also flexible: you can adjust the introduction and body to persuade, motivate, educate, or entertain them.

One downside, however, is that repetition can quickly bore people. The approach is also "old hat" to many, which can cause them to lose interest. If you choose to use it, balance repetition with plenty of interesting facts, images, anecdotes, or stories to hold your audience's interest.

Let's look at each stage of the Open – Body – Conclusion structure in detail and discuss the elements that you need to include in each. We'll start with the body, rather than the introduction, because the rest of your presentation will be based on that.

The body of your presentation needs to contain your key points. You should present these in a logical order, so that your audience can follow them easily.

Keep in mind that the body should comprise a limited number of ideas: the more you try to include, the fewer people will remember. A good guide is to cover three to five main points, but no more.

When organizing your ideas, use the chunking principle to put the information into specific units. This will make the concepts easier to grasp, and help people remember what you have told them.

Make sure that you back up your main points with facts. Use good information-gathering strategies in your research, and consider citing the sources that you use. To add credibility to your presentation, consider using the following information to support your ideas:

  • Data, facts or statistics.
  • Images or diagrams.
  • Stories and examples.
  • Quotes or testimonials from experts or industry leaders.

Reliable sources will strengthen your credibility , and build trust with your audience.

Your opening, or introduction, has two main purposes: to grab your audience's attention, and to cover the key points that you intend to talk about.

Instead of telling people what you plan to say, you can use a different approach and explain why they are there. What will they learn from your presentation, and how will the content benefit them?

It's also important to get their attention right from the beginning. You can do this in several ways:

  • Tell a story.
  • Ask a rhetorical question.
  • Play a short video.
  • Make a strong or unexpected statement.
  • Challenge your audience.
  • Use a quotation or example.
  • Appeal to people's self-interest.
  • Request a specific action.
  • Use suspense.

If you plan to answer questions at the end of your presentation, it's a good idea to mention this in the introduction, so people don't interrupt you mid-flow.

Many presenters overlook the importance of a conclusion – but the statements you finish with are what many audience members will remember best.

With the "tell 'em" approach, your conclusion summarizes the main points in the body of your presentation. If you want people to take action, be specific about what you want them to do.

Think carefully about how you want them to feel once you've finished; your conclusion is a great opportunity to reinforce this. Why not inspire them with a great story, a quote or a compelling call to action?

2. The Sandwich Approach

The Sandwich Approach is a variation of the Open – Body – Conclusion structure. This three-part structure covers:

  • Advantages and/or benefits of your message or idea.
  • Risks and concerns.
  • How the benefits manage or eliminate those risks.

This approach is effective when you want to persuade audience members, or change their minds.

Having evidence to support your position is critical. However, factual data and reams of spreadsheets and charts are not highly persuasive. What people respond to is "vivid" evidence that brings your concept or argument to life.

To brush up on your persuasion skills, look at The Rhetorical Triangle . This tool asks you to consider your communication from three perspectives: those of the writer, the audience and the context. It's a method that builds credibility, and helps you ensure that your arguments are logical.

3. Monroe's Motivated Sequence

Monroe's Motivated Sequence is another good structure to use when you need to motivate or persuade. This sequence consists of five key steps:

  • Getting your audience's attention – Use an interesting "hook" or opening point, such as a shocking statistic. Be provocative and stimulating, not boring and unemotional.
  • Creating a need – Convince the audience there's a problem, explain how it affects them. Persuade them that things need to change.
  • Defining your solution – Explain what you think needs to be done.
  • Describing a detailed picture of success (or failure) – Give people a vision; something they can see, hear, taste, and touch.
  • Asking the audience to do something straight away – Get them involved right from the start. If you do this, it's then much easier to keep them engaged and active in your cause.

4. Demonstration Structure

Use a simple demonstration structure when you are unveiling a new product or service.

Start by explaining why the product or service is so good. What makes it special? What problem will it solve for people?

Next, demonstrate what it does. How you do this will depend on your product but, whatever you do, make sure it works! Bring any important points to the audience's attention and provide helpful tips, where appropriate. Show them the results, and finish by giving them useful information, a good understanding of your topic, and something to remember.

Don't get too wrapped up in the detail; remember to keep it simple. Your presentation will be more powerful and your audience will remember more if you highlight just a few of the most important features. This will whet their appetite, and leave them wanting to know more.

5. Opportunity, Benefits, Numbers Structure

The Opportunity, Benefits, Number (OBN) structure is useful when you face busy people who want to hear what you have to say in the shortest time possible.

To use this structure, give audience members a quick summary of the opportunity that they need to consider, and outline the benefits that they can expect. Then, show them the numbers that back up your claims. [1]

For example, imagine you are explaining why your company should implement a new performance management system. First, you might give some background on the proposal – for example, you want to drive a high-performance culture. Then, you could explain the benefits, such as improving organizational performance and profits. Finally, you could compare the cost of bringing the system in with the predicted return on investment, based on a similar system at another organization.

Presentations that lack a clear flow are confusing and ineffective. This is why it's important to pay careful attention when choosing the most appropriate structure.

Different structures fulfill different purposes. Before you begin, think about why you are giving your presentation. Do you want to inform, persuade, inspire, or entertain your audience?

The most common structure for presentations is Open – Body – Conclusion. This is often effective because it gives you the opportunity to repeat your key points a number of times. However, other structures can be more appropriate, depending on the circumstances, such as when you're trying to persuade an audience, demonstrate a product, or provide information in the most time-efficient way.

Definition : A presentation is a form of communication in which the speaker conveys information to the audience. In an organization presentations are used in various scenarios like talking to a group, addressing a meeting, demonstrating or introducing a new product, or briefing a team. It involves presenting a particular subject or issue or new ideas/thoughts to a group of people.

It is considered as the most effective form of communication because of two main reasons:

  • Use of non-verbal cues.
  • Facilitates instant feedback.

  • Introduction : It is meant to make the listeners ready to receive the message and draw their interest. For that, the speaker can narrate some story or a humorous piece of joke, an interesting fact, a question, stating a problem, and so forth. They can also use some surprising statistics.
  • Body : It is the essence of the presentation. It requires the sequencing of facts in a logical order. This is the part where the speaker explains the topic and relevant information. It has to be critically arranged, as the audience must be able to grasp what the speaker presents.
  • Conclusion : It needs to be short and precise. It should sum up or outline the key points that you have presented. It could also contain what the audience should have gained out of the presentation.

  • To inform : Organizations can use presentations to inform the audience about new schemes, products or proposals. The aim is to inform the new entrant about the policies and procedures of the organization.
  • To persuade : Presentations are also given to persuade the audience to take the intended action.
  • To build goodwill : They can also help in building a good reputation

If you’ve ever heard someone give a powerful presentation, you probably remember how it made you feel. Much like a composer, a good speaker knows precisely when each note should strike to captivate their audience’s attention and leave them with a lasting impression.

No one becomes a great public speaker or presenter without practice. And almost everyone can recall a time one of their presentations went badly — that’s a painful part of the learning process.

Whether you’re working within a small creative team or a large organization, public speaking and presentation skills are vital to communicating your ideas. Knowing how to present your vision can help you pitch concepts to clients, present ideas to your team, and develop the confidence to participate in team meetings.

If you have an upcoming presentation on the horizon and feel nervous, that’s normal. Around 15-30% of the general population experience a fear of public speaking . And, unfortunately, social anxiety is on the rise, with a 12% increase in adults over the last 20 years . 

Learning how to give a good presentation can dismantle your fears and break down these barriers, ensuring you’re ready to confidently share your point of view. 

It’s the week before your presentation, and you’re already feeling nervous . Maybe there’ll be an important mentor in the room you need to impress, or you’re looking for an opportunity to show your boss your value. Regardless of your countless past presentations, you still feel nervous. 

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

It’s helpful to identify where your worries are coming from and address your fears. Here are some common concerns when preparing for an upcoming presentation:

Fear of public speaking: When you share your ideas in front of a group, you’re placing yourself in a vulnerable position to be critiqued on your knowledge and communication skills . Maybe you feel confident in your content, but when you think about standing in front of an audience, you feel anxious and your mind goes blank.

It’s also not uncommon to have physical symptoms when presenting . Some people experience nausea and dizziness as the brain releases adrenaline to cope with the potentially stressful situation . Remember to take deep breaths to recenter yourself and be patient, even if you make a mistake.

Losing the audience’s attention: As a presenter, your main focus is to keep your audience engaged. They should feel like they’re learning valuable information or following a story that will improve them in life or business.

Highlight the most exciting pieces of knowledge and ensure you emphasize those points in your presentation. If you feel passionate about your content, it’s more likely that your audience will experience this excitement for themselves and become invested in what you have to say.

Not knowing what content to place on presentation slides: Overloading presentation slides is a fast way to lose your audience’s attention. Your slides should contain only the main talking points and limited text to ensure your audience focuses on what you have to say rather than becoming distracted by the content on your slides.

Discomfort incorporating nonverbal communication: It’s natural to feel stiff and frozen when you’re nervous. But maintaining effective body language helps your audience stay focused on you as you speak and encourages you to relax.

If you struggle to incorporate body language into your presentations, try starting small by making hand gestures toward your slides. If you’re working with a large audience, use different parts of the stage to ensure everyone feels included. 

Each presenter has their own personal brand and style. Some may use humor to break the ice, while others might appeal to the audience’s emotional side through inspiring storytelling. 

Watching online presentations, such as TED talks, is an excellent way to expose yourself to various presentation styles and develop your own. While observing others, you can note how they carry themselves on stage and learn new ways to keep your audience engaged.

Once you’ve addressed what’s causing your fears, it’s time to prepare for a great presentation. Use your past experience as inspiration and aim to outshine your former self by learning from your mistakes and employing new techniques. Here are five presentation tips to help you create a strong presentation and wow your audience:

1. Keep it simple

Simple means something different to everyone.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

If you give away all of your answers too quickly, your audience could lose interest. And if there isn’t enough supporting information, they could hit a roadblock of confusion. Try developing a compelling story that leads your audience through your thought processes so they can experience the ups and downs alongside you. 

By structuring your presentation to lead up to a final conclusion, you’re more likely to keep listeners’ attention. Once you’ve reached that conclusion, you can offer a Q&A period to put any of their questions or concerns to rest. 

3. Use visual aids

Appealing to various learning styles is a great way to keep everyone on the same page and ensure they absorb your content. Visual aids are necessary for visual learners and make it easier for people to picture your ideas.

Aim to incorporate a mixture of photos, videos, and props to engage your audience and convey your key points. For instance, if you’re giving a presentation on anthropology subject matter, you could show your audience an artifact to help them understand how exciting a discovery must have been. 

If your presentation is long, including a video for your audience to watch is an excellent way to give yourself a break and create new jumping-off points for your speech.

4. Be aware of design techniques and trends

Thanks to cutting-edge technology and tools, you have numerous platforms at your disposal to create a good presentation. But keep in mind that although color, images, and graphics liven things up, they can cause distraction when misused.

  Here are a few standard pointers for incorporating visuals on your slides: 

  • Don’t place blocks of small text on a single slide
  • Use a minimalistic background instead of a busy one
  • Ensure text stands out against the background color
  • Only use high-resolution photos
  • Maintain a consistent font style and size throughout the presentation
  • Don’t overuse transitions and effects

5. Try the 10-20-30 rule

Guy Kawasaki, a prominent venture capitalist and one of the original marketing specialists for Apple, said that the best slideshow presentations are less than 10 slides , last at most 20 minutes, and use a font size of 30. Following this strategy can help you condense your information, eliminate unnecessary ideas, and maintain your audience’s focus more efficiently.

Once you’re confident in creating a memorable presentation, it’s time to learn how to give one. Here are some valuable tips for keeping your audience invested during your talk: 

Tip #1: Tell stories

Sharing an anecdote from your life can improve your credibility and increase your relatability. And when an audience relates to you, they’re more likely to feel connected to who you are as a person and encouraged to give you their full attention, as they would want others to do the same.

Gill Hicks utilized this strategy well when she shared her powerful story, “ I survived a terrorist attack. Here’s what I learned .” In her harrowing tale, Hicks highlights the importance of compassion, unconditional love, and helping those in need.

If you feel uncomfortable sharing personal stories, that’s okay. You can use examples from famous individuals or create a fictional account to demonstrate your ideas.

Tip #2: Make eye contact with the audience

Maintaining eye contact is less intimidating than it sounds. In fact, you don’t have to look your audience members directly in their eyes — you can focus on their foreheads or noses if that’s easier.

Try making eye contact with as many people as possible for 3–5 seconds each. This timing ensures you don’t look away too quickly, making the audience member feel unimportant, or linger too long, making them feel uncomfortable.

If you’re presenting to a large group, direct your focus to each part of the room to ensure no section of the audience feels ignored.

Tip #3: Work on your stage presence

Although your tone and words are the most impactful part of your presentation, recall that body language keeps your audience engaged. Use these tips to master a professional stage presence:

  • Speak with open arms and avoid crossing them
  • Keep a reasonable pace and try not to stand still
  • Use hand gestures to highlight important information

Tip #4: Start strong

Like watching a movie trailer, the first seconds of your talk are critical for capturing your audience’s attention. How you start your speech sets the tone for the rest of your presentation and tells your audience whether or not they should pay attention. Here are some ways to start your presentation to leave a lasting impression:

  • Use a quote from a well-known and likable influential person

Tip #5: Show your passion

Don’t be afraid of being too enthusiastic. Everyone appreciates a speaker who’s genuinely excited about their field of expertise.

Tip #6: Plan your delivery

How you decide to deliver your speech will shape your presentation. Will you be preparing a PowerPoint presentation and using a teleprompter? Or are you working within the constraints of the digital world and presenting over Zoom?

The best presentations are conducted by speakers who know their stuff and memorize their content. However, if you find this challenging, try creating notes to use as a safety net in case you lose track.

If you’re presenting online, you can keep notes beside your computer for each slide, highlighting your key points. This ensures you include all the necessary information and follow a logical order.

Tip #7: Practice

Practice doesn’t make perfect — it makes progress. There’s no way of preparing for unforeseen circumstances, but thorough practice means you’ve done everything you can to succeed.

Rehearse your speech in front of a mirror or to a trusted friend or family member. Take any feedback and use it as an opportunity to fine-tune your speech. But remember: who you practice your presentation in front of may differ from your intended audience. Consider their opinions through the lens of them occupying this different position.

Tip #8: Read the room

Whether you’re a keynote speaker at an event or presenting to a small group of clients, knowing how to read the room is vital for keeping your audience happy. Stay flexible and be willing to move on from topics quickly if your listeners are uninterested or displeased with a particular part of your speech.

Tip #9: Breathe

Try taking deep breaths before your presentation to calm your nerves. If you feel rushed, you’re more likely to feel nervous and stumble on your words.

The most important thing to consider when presenting is your audience’s feelings. When you approach your next presentation calmly, you’ll put your audience at ease and encourage them to feel comfortable in your presence.

Tip #10: Provide a call-to-action

When you end your presentation, your audience should feel compelled to take a specific action, whether that’s changing their habits or contacting you for your services.

If you’re presenting to clients, create a handout with key points and contact information so they can get in touch. You should provide your LinkedIn information, email address, and phone number so they have a variety of ways to reach you. 

There’s no one-size-fits-all template for an effective presentation, as your unique audience and subject matter play a role in shaping your speech. As a general rule, though, you should aim to connect with your audience through passion and excitement. Use strong eye contact and body language. Capture their interest through storytelling and their trust through relatability.

Learning how to give a good presentation can feel overwhelming — but remember, practice makes progress. Rehearse your presentation for someone you trust, collect their feedback , and revise. Practicing your presentation skills is helpful for any job, and every challenge is a chance to grow.

Presentation Structure

A presentation structure includes an introduction, context, main body, conclusion, and scope for questions. Depending on the type of presentation you’re doing, this format can change. The article discusses various considerations for each section of a presentation structure.

For presentations to be understood and create a good impression, they can’t be haphazard. It has to have some sort of pre-planned presentation structure that is both logical and simple enough. Depending on the type of presentation you’re doing, there are likely some basic frameworks available that people tend to follow. Before we delve into the format, let’s consider key points to consider when planning a presentation.

How do you structure and plan a presentation?

We plan a presentation by considering the type of presentation, who our audience is, ideating the purpose, and formulating subtopics through research.

Consider the type of presentation

This leads to understanding the ideal flow to convey your content best. For instance, for persuasive presentations, you could use creative ways to convey what is best about a product, such as starting with a story about how it has helped many people achieve something.

On the other hand, for a progress presentation at your workplace, you might have conventions about what is expected, which must be followed precisely.

A few other types of presentations include:

  • Informative presentations
  • Instructive presentations
  • Motivational presentations
  • Analytical presentations

You might also want to consider if you want audience interaction and put that into the structure accordingly. While some allow questions mid-presentation for smaller audiences, it is typically left towards the end.

Consider your audience’s knowledge level and interests

This will determine if you can assume a particular knowledge base and not include it in your presentation structure or if you have to start off with basics and build up on that.

For instance, if you’re teaching 1st-year students about something, you might start with basics. But for graduates, a similar format would be unnecessary as they might have already learned about it.

Similarly, if your purpose is to deliver something entertaining, knowing about the interests and values of your audience helps a ton.

The most simple way is demographics. It’s typically quite easy to find out the expected age group, gender, etc of the audience. This information can help you have a basic idea of the sort of experiences they go through, which helps formulate an understanding.

Consider the purpose of your presentation

While this may seem obvious, many of us lose track of the main purpose and spend too much time on remotely related content. This diverts attention from the topic and might even cause boredom.

For example, if you’re advocating for some social action, it would be beneficial to stay on the topic itself, like the pros, cons, what can be done practically, etc. Instead, if the presenters spend more time criticizing others, the presentation will fall short of its purpose.

Few other examples of different purposes your presentation could have:

  • Entertainment
  • Providing information
  • Telling your story
  • Proposing ideas
  • Discussing future plans for the company

Research your topic and start noting down the subtopics

Skip this if you already know exactly what needs to be a part of your presentation, and plan to include just that. While looking up your topic, you’ll discover the various sub-topics within that field. After you start noting them down, you can organize later what comes under which to build a structure.

The best presentation format is one that includes the introduction, context, main body, conclusion, and questions.

Here, we will discuss a template or structure for a typical presentation.

Introduction

  • Greet the audience and introduce yourself, e.g., what you do and why you’re here
  • The purpose of your presentation
  • The flow or outline gives a sense of what they can expect
  • Depending on the topic and audience, you might have to provide more or less context about your topic
  • This could include a brief history, terminologies, the current market status, the current status of the field, etc.
  • Includes the full depth of the primary purpose of the presentation
  • All major chunks of data, including examples, evidence like research studies, etc, are included here

  • Thank your audience if they have been a good one
  • Take questions and encourage healthy discussion
  • End with sharing ways they can address their questions later

5 Ways to Structure Your Presentation

The five ways include ordered, problem-solution, comparative, storytelling, and demonstrating structures.

1. Ordered Structure

The presentation follows a logical sequence starting with an introduction, main points, and then conclusions. This is what this article has focused on, as it’s the most straightforward method and tends to be very clear for the audience. However, for presentations that do not follow a clear progression, this may not be useful.

2. Problem-Solution Structure

This is useful when persuading the audience. You explain the problem (+ its importance and impact) and then provide a solution that motivates the audience to take it. This could be in the form of a product, a particular method of communication, some technical thing, etc. There should be a decent amount of time spent on the benefits of the solution as well as the exact “How?” to implement it to make the audience convinced. It helps to address any questions or barriers you expect them to have during the speech itself.

3. Comparative Method

This is useful when you want to highlight the benefits of something over alternatives . It is ideal to first fully address the alternatives by talking about their benefits and limitations. Then you lastly talk about the solution that you possess that effectively addresses the other limitations or is in some way a better choice than others, based on your arguments.

Alternatively, if you do not want to highlight the benefits of something particular and just form a comparison that demonstrates the pros and cons of different subjects in an unbiased manner, this technique is still used. For instance, how the main benefit of a product is practically useful for the consumer in comparison to the main benefit of another product can be discussed.

4. Storytelling Structure

This is useful when your goal is just to tell a story. This could be to explain the context or history of a company. It could also serve to talk about yourself and how you got there. A story will typically have an introduction, a complicating factor that introduces some challenges, and then an ending that highlights the importance of some action or belief. 

You may also go in a timewise order when explaining a story. This might take away from the thrill but is useful nonetheless when it is required for the audience to properly understand what is being conveyed. Storytelling can be done in various ways, so feel free to find your own structure.

5. Demonstration Structure

This is useful when demonstrating products or services . The benefits of the product/service are highlighted and it is demonstrated showing those capabilities. The goal should be on persuading the audience that it is useful to them for their needs.

How to structure a scientific presentation?

Structuring a scientific presentation typically includes an introduction, methods, results, and discussion.

This typically follows the below format, but depending on the university/conference guidelines, you’ll have to adjust accordingly. The rest of the sub-topics revolves around these sections.

  • Introduction/Background 
  • Literature review (if applicable)
  • Acknowledgments (often optional)

After this, time is given to take questions.

How do you structure a presentation script?

The presentation never includes the full extent of the information. It’s just a concise version of what you’re speaking that adds as a visual aid at times while also highlighting major points. 

The script is where the major content lies. The structure remains the same, but the content is greater in depth .

Public speaking involves persuading an audience with a well-organized message. It is an essential part of our daily lives. We use it when we make conversation in social groups as well as when we address enormous crowds at social gatherings. It is a highly multifaceted and effective tool.

I will start off by giving some information about the context, moving on to its benefits, which is the main crux of our presentation, and then we will spend some time concluding.

Effective communication is essential in our globally interconnected society. Speaking in front of an audience enables us to express our views and thoughts clearly and firmly. Research suggests that having an internal locus of control (i.e., feeling in control) leads to better outcomes in our personal lives as well as greater mental health.  As we organize our ideas and arguments through public speaking, it improves critical thinking and organizational abilities. Furthermore, as we interact with others during talks and Q&A sessions, public speaking also enhances our listening abilities.

The ability to speak in front of an audience effectively is highly essential in most workplaces.

You ask Why? Well, it is because we are better able to communicate our qualifications and worth to potential employers, which enhances our performance in job interviews. Secondly, our influence within organizations grows when we can make a strong case for our points in meetings and conferences.

Next, for leadership positions, where success depends on inspiring and motivating others, public speaking is critical. And in general, you’ll need public speaking in any meeting or any talk you would typically deliver in front of a bunch of people.

Objectives of Presentation

The main objectives of a presentation are:

To Persuade

To motivate, to entertain.

A presentation is created to convey some information to a group of people. For example, a presentation may display an organisation’s quarterly performance.

Most training programmes in organisations are done through the presentation mode. Such instructional presentations convey a lot of information and are created with instructional design principles to keep the audience engaged for a long period.

Some presentations are used to convince a group of people to accept a particular idea and/or make a certain choice.

The growing popularity of TED Talks indicates how a presentation can be a powerful motivation tool. These presentations trigger emotions and inspire people to act.

Presentations can also be used to celebrate an event. For example, a farewell presentation of a colleague can be used to narrate the story of his/her overall tenure, experiences and achievement in the organisation.

Main Elements of Presentation

A presentation is said to be effective if it has three main elements, which are as follows:

  • Specific content : This refers to the information that a presentation will comprise. The information must be conveyed effectively so that it is absorbed by the audience in one sitting. It should be relevant and meaningful to them.
  • Audience : A presentation should be targeted for a specific group of audience who share the same purpose and have a similar level of pre-knowledge.
  • Presenter: The presenter should act as the advocate of the information. If his/her conviction and passion in the message are clearly articulated, the audience will also pay attention to the subject.

Important Presentation Skills

In today’s business environment, presentation skills are requisite in almost every professional arena. Employees are often required to give presentations on the targets achieved by them. A presentation can be effective if it is carefully planned and prepared.

However, delivering presentations is not always easy for every individual. Some people take presenting as a probable opportunity to showcase skills, while others find it a challenging task. To provide an effective presentation, a presenter must possess some abilities.

Some of them are explained as follows:

Analytical ability

Effective communication ability, creative ability, good interpersonal skill, sound time management, problem-solving ability, a sense of humour.

It refers to a calibre which empowers an individual to collect, organise, visualise and comprehend data. Such skills enable a person to look at related patterns, draw conclusions and find solutions to problems. In addition, sound analytical skills also enable an individual to forecast future trends using various techniques such as brainstorming, forecasting, data mining and metrics interpretation.

Communication entails much more than mere talking to the audience. To communicate effectively during a presentation, one ought to showcase information lucidly. During a presentation, a person should not just have a good set of slides together; rather he needs to engage and strike a chord with the audience to transmit the intended message.

It refers to the ability to present things in a creative way that have not been explored earlier. Creative skills in presentation enable an individual to invent or develop something path-breaking, such as a new concept, unique way out from a problem, a method, a work of art or new machinery, etc.

It encompasses how an individual portrays or presents himself to the audience and builds a rapport with the audience. During a presentation, sound interpersonal skills empower a speaker to interact, communicate and collaborate with the audience effectively.

Interpersonal skills are prevalent across all personal and professional interactions between people. Interpersonal skills entail empathy, active listening and emotional intelligence.

While delivering a presentation, a person should manage time effectively, set a presentation schedule and end a presentation within a stipulated time. If a presentation is long, there are chances the audience may lose interest and the message may not be delivered.

A speaker cannot expect audience to actively listen to the presentation for hours. At the start of presentation, a speaker should aim to grab audience’s attention and allocate time for questions and answers at the end.

Problem-solving is a requisite skill for a presentation. During a presentation, the audience may ask the speaker any kind of questions. On the other hand, it is important for the speaker to provide an appropriate answer to the audience to make the presentation successful.

A sense of humour is crucial to deliver a quality presentation to make the environment light and engaging. Appropriate usage of light jokes relieves stress and holds the attention of an audience, which makes the presentation a memorable experience for both the speaker and the audience.

Evaluation Wheel

Evaluation wheel is a creative and effective tool that accumulates information on outcomes in a simple and accessible manner. A presenter can opt for the evaluation wheel tool to show the outcomes of the research or reports. This tool is used to provide various types of information and journeys of change within the organisation.

It offers a visual representation of progression and results in the form of a spider diagram. The evaluation wheel measures the exact outcomes for a programme at the start and end. It also helps educators, designers to comprehend information systematically. Figure shows an example of evaluation wheel:

Figure states the scale questionnaire in a circle form wherein respondents will analyse the instances from their discretion and experience and give rating on a scale of 1 to 5.

For instance, service users are appropriately involved. In this case, if the respondent strongly agrees, he/she will give 5 rating and if he/she does not agree, he/she will give 1 rating. The centre of the circle is for 1 and as the respondent agrees, they reach out to edge for 5 rating.

Ps of Presentation

Even the most powerful presentation may fail if the presenter comes unprepared. A presentation is both a mental and a physical effort. There are Ps of presentation that provide a checklist to the presenter for ensuring that the presentation is well-constructed and clear so that the audience gets the message. These four Ps are explained as follows:

A thoroughly prepared presentation captivates the interests of the audience. The topic or content of the presentation must be thoroughly researched. No one would develop interest in a vague or equivocal presentation. A speaker can make use of stories or relatable examples and quote references to give more depth to the presentation and make it intriguing.

Apart from that, it should be ensured that only important points are highlighted in bullets or using other graphical elements. Providing too much of theory or full sentences can create boredom for the audience.

While preparing for a presentation, the presenter should include the following sections:

  • Introduction : This section includes the name of the topic and the purpose of the presentation.
  • Body : This section contains the main content of the presentation; thus, it must be prepared in a well-organised manner.
  • Summary : It provides a recap of the content of the presentation. It outlines the most important points of the presentation to ensure the key message is retained by the audience.

Practice will make a man perfect is an adage that is appropriate across all spheres of life. It helps a speaker become familiar with his/her own voice, words and phrases and adjust accordingly. By practising thoroughly, a speaker can explore how to fit different pieces of information together and practise transition.

Also, a speaker should make notes wherever required as a part of presentation support. Using an index card is a common form of note-taking that provides a quick glimpse of important points.

While delivering a presentation, the speaker needs to demonstrate confidence in front of the audience. The speaker must be polite, but not apologetic in situations, such as if the session is running overtime or the microphone has stopped working.

Instead he/she should expect and ask for discipline and attention. It is important for a speaker to engage with the audience during the presentation in order to assure them that he/she is genuinely interested in talking to them. 4. Pace, pitch and pause: A presenter should deliver the presentation in an easy-to-follow pace and try changing the pace to enliven the presentation.

For example, pauses can be taken intentionally between main points to reinforce them. Along with pace, pitch is equally important. Just as pace varies in normal conversations, it should be used effectively during presentations too. For example, when asking a question, the presenter can raise the pitch and can lower it down when explaining a point.

Four Cornerstones of Making Memorable Presentations

The most crucial aspect of delivering an effective presentation is that the speaker should appear confident and the speech should look effortless. Presentations are a source of anxiety for many individuals. However, getting well-prepared before delivering a presentation can reduce this feeling considerably and ease apprehension.

There are a number of ways to overcome feelings of anxiety, stress and stage fright before the presentation in order to appear confident in front of the audience. The four cornerstones of making a memorable presentation are provided in the upcoming sections.

Know Yourself

Know your material, know your purpose, know your audience.

A presenter should acknowledge his/her strengths and weaknesses. Accordingly, he/she should decide the style of delivering a presentation. For instance, if a presenter has a great sense of humour and can use it comfortably in the speech, he/she can make the presentation more engaging and interesting.

On the other hand, if the speaker who is an introvert and prefers to talk or engage less, he/she can add visuals in the presentation. Therefore, the trick is whosoever is delivering the presentation should feel comfortable.

Knowing the topic thoroughly is the most important step in preparing and delivering a presentation. A presenter with well-versed knowledge of the topic is bound to feel more confident. One should perform extensive research of the topic using credible websites and surveys.

A presenter with minimal information about the topic will not be able to deliver a memorable presentation; rather, it would create a negative image in front of the audience. A good presentation is one that is centred around the main theme, presents relevant information and stimulates thought.

It is crucial to know the purpose of the presentation. A presenter should be aware of whether the purpose is to create awareness or to build new skills or to change attitudes. For instance, professional firms or businesses use presentations for various purposes such as to create awareness, educate, motivate and persuade internal and external audiences.

Therefore, to prepare a presentation, identify its objective/purpose, determine the method of delivery, formulate a structure, include visual aids and rehearse.

One should know the type of audience and what is their purpose of attending the presentation. For instance, whether they are there for gaining knowledge or learning new skills, etc. The age, culture and knowledge base of the audience help a presenter in designing and delivering his/her presentation effectively and in a manner in which audience can easily understand and relate to.

Bad presentations. We’ve all had to sit through them.  Heck, we’ve probably all given one or two. I know I have.

You know the type: twice as long as they need to be, slides chock-full of text, no visuals in sight. 

How can you ensure you don’t fall victim to these presentation faux-pas when designing your next presentation for your team, class, or clients?

In this blog, I’ll walk you through tips on how to design an impactful presentation along with presentation templates that can help you deliver it with style to leave a lasting impression.

Tips for designing and delivering an impactful presentation

What makes a presentation memorable?

It usually comes down to three things:

  • The main idea.
  • The presenter.
  • The visuals.

All three elements work together to create a successful presentation. Just like how different presentation styles serve different purposes, having a good presentation idea will give the audience a purpose for listening.

Here are some top tips to consider to help you design and deliver an impactful presentation:

  • Include less text and more visuals in your presentation design
  • Identify one core message to center your presentation design around
  • Eliminate any information that doesn’t immediately support the core message
  • Create a strong presentation outline to keep you focused
  • Use text to reinforce, not repeat, what you’re saying
  • Design your presentation with one major takeaway per slide
  • Use visuals to highlight the key message on each slide
  • Use scaffolding slides to orient your audience and keep them engaged
  • Use text size, weight, and color for emphasis
  • Apply design choices consistently to avoid distraction

1. Include less text and more visuals in your presentation design

According to David Paradi’s annual presentation survey , the 3 things that annoy audiences most about presentations are:

  • Speakers reading their slides
  • Slides that include full sentences of text
  • Text that is too small to read

The common thread that ties all of these presentation annoyances is text. Audiences are very picky about the text found in presentation slide decks .

In my experiences speaking at conferences and in webinars over the past few years, audiences respond much more positively to presentations that use visuals in place of text.

Audiences are more engaged, ask more questions, and find my talks more memorable when I include lots of visual examples in my slide decks. 

I’m not the only one who has found this. We recently surveyed nearly 400 conference speakers about their presentation designs and found that 84.3% create presentations that are highly visual.

A great example of a high visual presentation is the iconic AirBnB pitch deck design , which includes no more than 40 words per slide. Instead of repeating the speaker’s script on the slides, it makes an impact with keywords, large numbers, and icons:

2. Identify one core message to center your presentation design around

We know from David Paradi’s survey that audiences are easily overwhelmed with lots of text and data, especially when presentations are long.

So unlike in a white paper , report , or essay , you can’t expect to tackle many complex ideas within a single presentation.

That would be a recipe for disaster.

Instead, identify a single central message that you would like to communicate to your audience. Then build your presentation around that core message.

By identifying that core message, you can ensure that everything you include in your presentation supports the goal of the presentation .

As seen below, a great presentation tells you exactly what you’re going to learn (the core message), then gets right to the facts (the supporting information).

To ensure you create an asset that’s clear, concise, impactful, and easy to follow, design your presentation around a single core message.

3. Create a strong presentation outline to keep you focused

Think of your outline as a roadmap for your presentation. Creating a strong presentation outline straight away helps make sure that you’re hitting all of the key points you need to cover to convey a persuasive presentation .

Take this presentation outline example:

  • Introduction and hellos
  • Vision and value proposition
  • Financial profit
  • Your investment
  • Thanks and questions

These are all things that we know we need to talk about within the presentation.

Creating a presentation outline makes it much easier to know what to say when it comes to creating the actual presentation slides.

4. Eliminate any information that doesn’t support the core message

Next, use that core message to identify everything that doesn’t belong in the presentation.

Aim to eliminate everything that isn’t immediately relevant to the topic at hand, and anything remotely redundant. Cut any information that isn’t absolutely essential to understanding the core message.

By cutting these extra details, you can transform forgettable text-heavy slides:

Here’s a quick checklist to help you cut out any extra detail:

Get rid of:

  • Detailed descriptions
  • Background information
  • Redundant statements
  • Explanations of common knowledge
  • Persuasive facts and figures
  • Illustrative examples
  • Impactful quotes

This step may seem obvious, but when you’re presenting on a topic that you’re passionate about, it’s easy to get carried away with extraneous detail. Use the recommendations above to keep your text in check.

5. Use text to reinforce, not repeat, what you’re saying

According to presentation guru  Nancy Duarte , your audience should be able to discern the meaning of your slides in 6 seconds or less.

Since your audience will tend to read every word you place on each slide, you must keep your text to an absolute minimum. The text on your slides should provide support for what you’re saying without being distracting.

Never write out, word for word, what you’re going to be saying out loud. If you’re relying on text to remember certain points, resist the urge to cram them into your slides. Instead, use a tool like Venngage’s speaker notes to highlight particular talking points. These can be imported into PowerPoint — along with the rest of your presentation — and will only be viewable to you, not your audience.

For the actual slides, text should only be used to reinforce what you’re saying. Like in the presentation design below, paraphrase long paragraphs into short bulleted lists or statements by eliminating adjectives and articles (like “the” and “a”).

6. Design your presentation with one major takeaway per slide

As I mentioned above, audiences struggle when too much information is presented on a single slide.

To make sure you don’t overwhelm your audiences with too much information, spread out your content to cover one major takeaway per slide.

By limiting each slide to a single simple statement, you focus your audience’s attention on the topic at hand.

My favorite way to do this is to pick out the core message of whatever I’m talking about and express it in a few keywords, as seen in this presentation slide below.

Using the text in this way, to simply state a single fact per slide, is a sure-fire way to make an impact in your presentation.

Alternatively, pull out a significant statistic that you want to stick in your audience’s minds and make it a visual focus of the slide, as seen in this popular presentation by Officevibe .

This might mean you end up with a slide deck with a ton of slides. But that’s totally ok!

I’ve talked to many professionals who are pressured by their management teams to create presentations with a specific number of slides (usually as few as 10 or 15 slides for a 30-minute presentation).

If you ask me, this approach is completely flawed. In my mind, the longer I spend sitting on a single slide, the more likely I am to lose the interest of my audience.

How many slides should I use for a 10 minute presentation?

A good rule of thumb is to have at least as many slides as minutes in your presentation. So for a 10 minute presentation you should have at least 10 slides .

Use as many slides as you need, as long as you are presenting a single message on each slide, (as seen in the lengthy presentation template below). This is especially important if you’re presenting your business, or delivering a product presentation. You want to wow your audience, not bore them.

7. Use visuals to highlight the key message on each slide

As important as having one major takeaway per slide is having visuals that highlight the major takeaway on each slide.

Unique visuals will help make your message memorable.

Visuals are a great way to eliminate extra text, too.

You can add visuals by creating a timeline infographic to group and integrate information into visual frameworks like this:

Or by representing simple concepts with icons, as seen in the modern presentation design below. Using the same color for every icon helps create a polished look.

Using visuals in this way is perfect for when you have to convey messages quickly to audiences that you aren’t familiar with – such as at conferences. This would also make the ideal interview presentation template.

You can alternatively use icons in different colors, like in the presentation templates below. Just make sure the colors are complimentary, and style is consistent throughout the presentation (i.e. don’t use sleek, modern icons on one slide and whimsically illustrated icons on another). Any time you have important stats or trends you want your audience to remember, consider using a chart or data visualization to drive your point home. Confident public speaking combined with strong visualizations can really make an impact, encouraging your audience to act upon your message.

One of my personal favorite presentations (created by a professional designer) takes this “key message plus a visual” concept to the extreme, resulting in a slide deck that’s downright irresistible.

When applying this concept, don’t fall into the trap of using bad stock photos . Irrelevant or poorly chosen visuals can hurt you as much as they help you.

Below is an example of how to use stock photos effectively. They are more thematic than literal and are customized with fun, bright icons that set a playful tone.

The content and visual design of a presentation should be seamless.

It should never seem like your text and visuals are plopped onto a template. The format and design of the slides should contribute to and support the audience’s understanding of the content.

8. Use scaffolding slides to orient your audience and keep them engaged

It’s easy for audiences to get lost during long presentations, especially if you have lots of slides. And audiences zone out when they get lost.

To help reorient your audience every once in a while, you can use something I like to call scaffolding slides. Scaffolding slides appear throughout a presentation to denote the start and end of major sections.

The core scaffolding slide is the agenda slide, which should appear right after the introduction or title slide. It outlines the major sections of the presentation.

At the beginning of each section, you should show that agenda again but highlight the relevant section title, as seen below.

This gives audiences the sense that you’re making progress through the presentation and helps keep them anchored and engaged.

Alternatively, you can achieve a similar effect by numbering your sections and showing that number on every slide. Or use a progress bar at the bottom of each slide to indicate how far along you are in your presentation. Just make sure it doesn’t distract from the main content of the slides.

You can imagine using this “progress bar” idea for a research presentation, or any presentation where you have a lot of information to get through.

Leila Janah, founder of Sama Group, is great at this. Her  Innovation and Inspire  talk about Sama Group is an example of a presentation that is well organized and very easy to follow.

Her presentation follows a logical, steady stream of ideas. She seems comfortable talking in front of a crowd but doesn’t make any attempts to engage directly with them.

9. Use text size, weight and color for emphasis

Every slide should have a visual focal point. Something that immediately draws the eye at first glance.

That focal point should be whatever is most important on that slide, be it an important number, a keyword, or simply the slide title.

We can create visual focal points by varying the size, weight, and color of each element on the slide. Larger, brighter, bolder elements will command our audience’s attention, while smaller, lighter elements will tend to fade into the background.

As seen in the presentation template above, this technique can be especially useful for drawing attention to important words within a long passage of text. Consider using this technique whenever you have more than 5 words on a slide.

And if you really want your audience to pay attention, pick a high-contrast color scheme like the one below.

When picking fonts for your presentation, keep this technique in mind. Pick a font that has a noticeable difference between the “bold” font face and the “regular” font face. Source Sans Pro, Times New Roman, Montserrat, Arvo, Roboto, and Open Sans are all good options.

The last thing to remember when using size, weight, and color to create emphasis on a slide: don’t try to emphasize too many things on one slide.

If everything is highlighted, nothing is highlighted.

10. Apply design choices consistently to avoid distraction

Audiences are quick to pick out, and focus on, any inconsistencies in your presentation design. As a result, messy, inconsistent slide decks lead to distracted, disengaged audiences.

Design choices (fonts and colors, especially), must be applied consistently across a slide deck. The last thing you want is for your audience to pay attention to your design choices before your content.

To keep your design in check, it can be helpful to create a color palette and type hierarchy before you start creating your deck, and outline it in a basic style guide like this one:

I know it can sometimes be tempting to fiddle around with text sizes to fit longer bits of text on a slide, but don’t do it! If the text is too long to fit on a slide, it should be split up onto multiple slides anyway.

18. Label your slides to prompt your memory

Often, presenters will write out an entire script for their presentation and read it off a teleprompter. The problem is, that can often make your presentation seem  too  rehearsed and wooden.

But even if you don’t write a complete script, you can still put key phrases on your slides to prompt jog your memory. The one thing you have to be wary of is looking back at your slides too much.

How a writer presents information in a document can affect a reader’s understanding of the relative weight or seriousness of that information. For example, hiding a critical point in the middle of a long paragraph deep in a long document seriously de-emphasizes the information. On the other hand, putting a minor point in a prominent spot (say the first item in a bulleted list in a report’s executive summary) tells your reader that information is crucial.

Sometimes de-emphasizing crucial information can lead to disastrous consequences. A classic example of this occurring is in the memo report NASA engineers wrote about the problem with O-ring seals on the space shuttle Challenger , which exploded seconds after takeoff due to faulty engineering. [1] The crucial information about the O-rings (O-rings provide a seal) was buried in a middle paragraph, while information approving the launch was in prominent beginning and ending spots. Presumably, the engineers were trying to present a full report, including identified problematic components in the Challenger , but the memo’s audience of non-technical managers mistakenly believed the O-ring problem to be inconsequential, even if it happened. The position of information in this document did not help them understand that the problem could be fatal.

Ethical writing thus not only involves being honest, but also presenting information so that your target audience will understand its relative importance and whether a technical fact is a good thing or a bad thing.

Retrace your steps with Recall

Search across time to find the content you need. Then, re-engage with it. With Recall, you have an explorable timeline of your PC’s past. Just describe how you remember it and Recall will retrieve the moment you saw it. Any photo, link, or message can be a fresh point to continue from. As you use your PC, Recall takes snapshots of your screen. Snapshots are taken every five seconds while content on the screen is different from the previous snapshot. Your snapshots are then locally stored and locally analyzed on your PC. Recall’s analysis allows you to search for content, including both images and text, using natural language. Trying to remember the name of the Korean restaurant your friend Alice mentioned? Just ask Recall and it retrieves both text and visual matches for your search, automatically sorted by how closely the results match your search. Recall can even take you back to the exact location of the item you saw.

Your PC needs the following minimum system requirements for Recall:

How to use Recall

To open Recall, use the keyboard shortcut +J , or select the following Recall icon on your taskbar:

Your timeline in Recall is broken up into segments, which are the blocks of time that Recall was taking snapshots while you were using your PC. You can hover over your timeline to review your activity in a preview window. Selecting the location on the timeline or selecting the preview window loads the snapshot where you can  interact with the content .

Search with Recall

Maybe you wanted to make that pizza recipe you saw earlier today but you don’t remember where you saw it. Typing goat cheese pizza into the search box would easily find the recipe again. You could also search for pizza or cheese if you didn’t remember the specific type of pizza or cheese. Less specific searches are likely to bring up more matches though. If you prefer to search using your voice, you can select the microphone then speak your search query.

By default, results are shown from all apps where Recall found matches. You can narrow down your results by filtering the matches to a specific app by selecting an app from the list.

When the results are displayed, they will be listed under the headings of text matches and visual matches . Matches that are closer to your search are shown first. You’ll also notice that some items are listed as one of the following types of matches:

Close match : Close matches typically include at least one of the search terms or images that are representative of a term in your query.

Related match : Matches that share a commonality with the search terms would be considered related. For instance, if you searched for goat cheese pizza , you might also get related matches that include lasagna or cannelloni since they are Italian dishes too.

Interacting with content

Once you’ve found the item you want to see again, select the tile. Recall opens the snapshot and enables screenray, which runs on top of the saved snapshot. Screenray analyzes what’s in the snapshot and allows you to interact with individual elements in the snapshot. You’ll notice that when screenray is active, your cursor is blue and white. The cursor also changes shape depending on the type of element beneath it. What you can do with each element changes based on what kind of content screenray detects. If you select a picture in the snapshot, you can copy, edit with your default .jpeg app such as Photos , or send it to another app like the Snipping Tool or Paint . When you highlight text with screenray, you can open it in a text editor or copy it. For example, you might want to copy the text of a recipe’s ingredients list to convert it to metric.

Note:  When you use an option that sends snapshot content to an app, screenray creates a temporary file in C:\Users\[username]\AppData\Local\Temp in order to share the content. The temporary file is deleted once the content is transferred over the app you selected to use.

Below your selected snapshot, you have more snapshot options. In many cases, you can have Recall take you back to exact location of the item, such as reopening the webpage, PowerPoint presentation, or app that was running at the time the snapshot was taken. You can also hide screenray, copy the snapshot, delete the snapshot, or select … for more snapshot options.

Pause or resume snapshots

To pause recall, select the Recall icon in the system tray then Pause until tomorrow .  Snapshots will be paused until they automatically resume at 12:00 AM. When snapshots are paused, the Recall system tray icon has a slash through it so you can easily tell if snapshots are enabled. To manually resume snapshots, select the Recall icon in the system tray and then select Resume snapshots .  You can also access the Recall & snapshots settings page from the bottom of this window.

What if I don’t want Recall to save information from certain websites or apps?

You are in control with Recall. You can select which apps and websites you want to exclude, such as banking apps and websites.  You’ll need to use a supported browser for Recall to filter websites and to automatically filter private browsing activity. Supported browsers, and their capabilities include:

Microsoft Edge: blocks websites and filters private browsing activity

Firefox: blocks websites and filters private browsing activity

Opera:  blocks websites and filters private browsing activity

Google Chrome: blocks websites and filters private browsing activity

Chromium based browsers:  For Chromium-based browsers not listed above, filters private browsing activity only, doesn’t block specific websites

To exclude a website:

Select … then Settings to open the Recall & snapshots settings page.

You can also go to Windows Settings > Privacy & Security > Recall & Snapshots to manage Recall.

Select Add website for the Websites to filter setting.

Type the website you want to filter into the text box. Select Add to add it to the websites to filter list.

To exclude an app:

Select … then Settings to open the Recall & snapshots settings page

Select Add app  for the Apps to filter setting.

From the app list, select the app you want to filter from Recall snapshots.

In two specific scenarios, Recall will capture snapshots that include InPrivate windows, blocked apps, and blocked websites. If Recall gets launched, or the Now option is selected in Recall, then a snapshot is taken even when InPrivate windows, blocked apps, and blocked websites are displayed. However, these snapshots are not saved by Recall. If you choose to send the information from this snapshot to another app, a temp file will also be created in C:\Users\[username]\AppData\Local\Temp to share the content. The temporary file is deleted once the content is transferred over the app you selected to use.

Managing your Recall snapshots and disk space

You can configure how much disk space Recall is allowed to use to store snapshots. The amount of disk space you can allocate to Recall varies depending on how much storage your PC has. The following chart shows the storage space options for Recall:

You can change the amount of disk space used or delete snapshots from the Recall & snapshots settings page. 

To change the storage space limit:

1. Expand the Storage settings.

2. Change the Maximum storage for snapshots limit by choosing the limit from the drop-down list. When the limit is reached, the oldest snapshots are deleted first.

To delete snapshots:

Expand the Delete snapshots settings.

You can choose to delete all snapshots or snapshots withing a specific timeframe.

To delete all snapshots, select Delete all .

To delete snapshots from a specific timeframe, select a timeframe from the drop-down list, then select Delete   snapshots.

Releasing Windows 11, version 24H2 to the Release Preview Channel

UPDATE 5/29: We’re aware that some Windows Insiders in Release Preview are not seeing Windows 11, version 24H2 offered yet. We’ve just begun the rollout and will gradually increase the rollout over time so not everyone will see it right away. If you are not seeing it yet and want to update to Windows 11, version 24H2 right away, you can do so by using the ISO which are available for download here . The ISO is Build 26100.560 but once you update using the ISO and join Release Preview, you’ll get Build 26100.712.

Hello Windows Insiders!

Today, we are making this year’s annual feature update Windows 11, version 24H2 (Build 26100.712) available in the Release Preview Channel for customers to preview ahead of general availability later this calendar year.

Windows 11, version 24H2* includes a range of new features such as the HDR background support, energy saver, Sudo for Windows , Rust in the Windows kernel, support for Wi-Fi 7, voice clarity and more. It also includes many improvements across Windows. For example, we are introducing a scrollable view of the quick settings flyout from the taskbar, the ability to create 7-zip and TAR archives in File Explorer (in addition to ZIP), and improvements for connecting Bluetooth® Low Energy Audio devices. We will be sharing more details in the coming months on many of the new features and improvements included as part of Windows 11, version 24H2 leading up to general availability. Please note that the new AI features such as Recall announced earlier this week will not be available on your PC after installing this update today as they require a Copilot+ PC. As part of this update, we’re also evolving the Copilot** experience on Windows as an app that will be pinned to the taskbar. This enables users to get the benefits of a traditional app experience, including the ability to resize, move, and snap the window – feedback we’ve heard from users throughout the preview of Copilot in Windows. This model also allows Microsoft to more agilely develop and optimize the experience based on user feedback. This change will be making is way to Insiders in the Canary, Dev, and Beta Channels shortly.

Windows Insiders in the Release Preview Channel can install Windows 11, version 24H2 via our “seeker” experience in Windows Update. This means if you are an Insider currently in the Release Preview Channel on a PC that meets the Windows 11  hardware requirements , you can go to Settings and Windows Update and choose to download and install Windows 11, version 24H2 if you want. Once you update your PC to Windows 11, version 24H2, you will continue to automatically receive new servicing updates through Windows Update (the typical monthly update process). For instructions on how to join the Windows Insider Program and join your PC to the Release Preview Channel,  click here .

PLEASE NOTE: Windows Insiders in the Canary and Dev Channels will not be able to switch to the Release Preview Channel as they are on builds already based on Windows 11, version 24H2 but are on higher build numbers. These Insiders don’t need to switch. 

Commercial*** customers enrolled in the  Windows Insider Program for Business  can begin validating Windows 11, version 24H2 on PCs in their organizations. For these customers, the Windows 11, version 24H2 feature update is available through Windows Update for Business (WUfB) and Windows Server Update Service (WSUS). Lawyers to Plastics Makers: Prepare for ‘Astronomical’ PFAS Lawsuits

At an industry presentation about dangerous “forever chemicals,” lawyers predicted a wave of lawsuits that could dwarf asbestos litigation, audio from the event revealed.

The defense lawyer minced no words as he addressed a room full of plastic-industry executives. Prepare for a wave of lawsuits​ with​ potentially “astronomical” costs​. Speaking at a conference earlier this year, the lawyer, Brian Gross, said the coming litigation could “dwarf anything related to asbestos,” one of the most sprawling corporate-liability battles in United States history.

Mr. Gross was referring to PFAS, the “forever chemicals” that have emerged as one of the major pollution issues of our time. Used for decades in countless everyday objects — cosmetics, takeout containers, frying pans — PFAS have been linked to serious health risks including cancer. Last month the federal government said several types of PFAS must be removed from the drinking water of hundreds of millions of Americans .

“Do what you can, while you can, before you get sued,” Mr. Gross said at the February session, according to a recording of the event made by a participant and examined by The New York Times. “Review any marketing materials or other communications that you’ve had with your customers, with your suppliers, see whether there’s anything in those documents that’s problematic to your defense,” he said. “Weed out people and find the right witness to represent your company.”

A spokesman for Mr. Gross’s employer, MG+M The Law Firm, which defends companies in high-stakes litigation, didn’t respond to questions about Mr. Gross’s remarks and said he was unavailable to discuss them.

A wide swath of the chemicals, plastics and related industries are gearing up to fight a surge in litigation related to PFAS, or per- and polyfluoroalkyl substances, a class of nearly 15,000 versatile synthetic chemicals linked to serious health problems.

PFAS chemicals have been detected almost everywhere scientists have looked: in drinking water, in rain falling over the Great Lakes , even in Antarctic snow . They are thought to be present in the blood of nearly every American . Researchers have linked exposure to PFAS to testicular and kidney cancers, developmental delays in children, decreased fertility, liver damage and thyroid disease. The man-made chemicals are so long-lasting that scientists haven’t been able to reliably identify how long it might take for them to break down.

PFAS-related lawsuits have already targeted manufacturers in the United States, including DuPont, its spinoff Chemours, and 3M. Last year, 3M agreed to pay at least $10 billion to water utilities across the United States that had sought compensation for cleanup costs. Thirty state attorneys general have also sued PFAS manufacturers, accusing the manufacturers of widespread contamination.

But experts say the legal battle is just beginning. Under increasing scrutiny are a wider universe of companies that use PFAS in their products. This month, plaintiffs filed a class-action lawsuit against Bic, accusing the razor company for failing to disclose that some of its razors contained PFAS.

Bic said it doesn’t comment on pending litigation, and said it had a longstanding commitment to safety.

The Biden administration has moved to regulate the chemicals, for the first time requiring municipal water systems to remove six types of PFAS . Last month, the Environmental Protection Agency also designated two of those PFAS chemicals as hazardous substances under the Superfund law, shifting responsibility for their cleanup at contaminated sites from taxpayers to polluters.

Both rules are expected to prompt a new round of litigation from water utilities, local communities and others suing for cleanup costs.

“To say that the floodgates are opening is an understatement,” said Emily M. Lamond, an attorney who focuses on environmental litigation at the law firm Cole Schotz. “Take tobacco, asbestos, MTBE, combine them, and I think we’re still going to see more PFAS-related litigation,” she said, referring to methyl tert-butyl ether, a former harmful gasoline additive that contaminated drinking water. Together, the trio led to claims totaling hundreds of billions of dollars.

PFAS were an industrial marvel when chemists at Dupont in the 1940s synthesized the material, a remarkably durable compound resistant to water, stains, heat and grease. It quickly became a mainstay in DuPont’s Teflon nonstick pans and 3M’s Scotchgard fabric protector. A powerful fire suppressant, it helped firefighters battle flames. Today, they are used for everyday items as varied as microwave popcorn bags, shampoos, raincoats and firefighting foam.

But the very qualities that have made PFAS so valuable have also prevented them from breaking down naturally in the environment. As PFAS entered the environment from factories, products and landfills, the chemicals have started to accumulate in water, air and soil.

Industry documents released through litigation show that manufacturers found adverse health effects from PFAS exposure as early as 1961 . But it wasn’t until the early 2000s that questions increasingly emerged in public about their safety. In 2005, the E.P.A. fined DuPont $10 million , at that time the largest administrative fine ever levied by the agency, for failing to disclose PFAS’s adverse effects.​​

All that has set the stage for a potential legal storm. Unlike tobacco, used by only a subset of the public, “pretty much every one of us in the United States is walking around with PFAS in our bodies,” said Erik Olson, senior strategic director for environmental health at the Natural Resources Defense Council. “And we’re being exposed without our knowledge or consent, often by industries that knew how dangerous the chemicals were, and failed to disclose that,” he said. “That’s a formula for really significant liability.”

Sandy Wynn-Stelt of Belmont, Mich., brought one early case. A year after she lost her husband to liver cancer in 2016, she discovered that the Christmas tree farm in front of her home, which had seemed such an idyllic setting, had been a dumping ground for PFAS-laden tannery waste from Wolverine World Wide, the maker of Hush Puppies shoes.

Wolverine had been among the first to license 3M’s Scotchgard for its waterproof footwear. Mrs. Wynn-Stelt got her blood tested, and found PFAS levels hundreds of times the norm. In 2020, she was diagnosed with thyroid cancer.

She sued Wolverine and 3M, and reached a settlement in 2021. Separately, nearly 2,000 local residents settled a class-action lawsuit against Wolverine. The region’s water source remains polluted with PFAS.

“Those lawyers are exactly right. This is going to be huge, now that people are starting to hold companies accountable,” Mrs. Wynn-Stelt said.

Wolverine declined to comment. 3M said it continued to “address PFAS litigation by defending itself in court or through negotiated resolutions.”

Much of the course of future litigation hinges on the evidence over PFAS’s health risks. There is broad scientific consensus that certain PFAS chemicals are harmful. “There’s a weight of evidence,” said Linda Birnbaum, a toxicologist and the former director of the National Institute of Environmental Health Sciences. “Multiple studies by different investigators, and in different populations.”

Max Swetman, another MG+M partner who presented with Mr. Gross at the February industry conference, addressed the research in his remarks to the group. “There’s a whole lot of new science being created,” he said. “It’s not the best for us.”

Still, some of the research could be vulnerable to criticism, he said. Getting the right experts to testify was crucial, he said. “Epidemiologists, if you get the right one, is always going to be your best expert in trial.”

Mr. Swetman was unavailable to comment on his remarks, according to his law firm.

One challenge facing medical research lies in the sheer number of different PFAS chemicals that have now entered the environment, each of which can have slightly different health effects, said Steph Tai, associate dean at the University of Wisconsin’s Nelson Institute for Environmental Studies and an expert in the use of science in environmental protection and litigation.

“The other thing, too, is that it takes a long time for health effects to show up,” Dr. Tai said, so the only way that scientists have been able to assess those effects is through long-term studies. Researchers must essentially look for what is referred to as “natural experiments,” according to Dr. Tai, comparing people who are naturally less exposed to PFAS with those who are more exposed. That inevitably leads to some uncertainties.

The industry has scored some major victories. Last November, the United States Court of Appeals for the Sixth Circuit tossed out a lawsuit that would have covered every Ohio citizen in a major case over exposure to PFAS, ruling that a firefighter who brought the lawsuit failed to prove that the PFAS found in his blood specifically came from the companies he sued.

3M phased out most uses of two of the most widely used PFAS chemicals, PFOS and PFOA, in the early 2000s, and DuPont in 2015 stopped using PFOA. 3M has said it will phase out the manufacturing of PFAS chemicals by the end of next year. The company will also work to discontinue their use in products, though that’s contingent on the company finding substitutes.

“As the science and technology of PFAS, societal and regulatory expectations, and our expectations of ourselves have evolved, so has how we manage PFAS,” 3M said.

DuPont referred inquiries to Chemours, the company that was spun off in 2015. Chemours declined to comment.

A long and difficult cleanup is beginning. President Biden’s 2021 infrastructure law provides $9 billion to help communities address PFAS contamination, and the E.P.A. has said $1 billion of that money would be set aside to help states with initial testing and treatment. Meantime, new kinds of PFAS are still being released into the environment. Scientists are working to learn more about them.
