You would be amazed at how frequently professional proposals are sent missing key information (like names, contact information, or dates). It’s also an easy place for clients to reference specific information, such as the timeline, during the course of the project.

It makes sure everyone is on the same page

You may feel like the information you include in your project proposal is repetitive. You likely have already had a discussion about what the client is looking for and what you’ll be able to do for them.

The purpose of writing that information into a proposal is to demonstrate to the client you’ve heard and understood their needs thoroughly enough for them to trust your approach. Having everything in writing will avoid miscommunications.

It gives you an opportunity to sell your skills

Your proposal is also your final opportunity to demonstrate your value to a client. Problem statement

The problem statement is the why of the project. You should outline the problem you’ll be solving for your client or the opportunity your project will help them fulfill. This section will demonstrate to your client that you’ve listened carefully to them and understand their needs.

Make sure you outline not only what they need but why they need it. If you’re making a website for a local cafe, for example, you might specify that they’re hoping to grow their clientele beyond current foot traffic. They may need a website that’s search-friendly and shows their food and seating options in order to appeal to the local university students.

Your solution

Outline exactly how the project you’re proposing will solve your client’s problem and benefit their business. A tip for writing an effective solution section — write as if you’re a member of their team convincing the decision-makers at their company to invest in the project. Use the company’s own language and framing to align with their approach and list specific benefits the project will bring to their company. Draw a direct line between your project’s features and outcomes, such as increased brand awareness, sales, or conversion.

Deliverables/Overview of the project

List clear deliverables to give both parties a clear understanding of what is (and isn’t) included in the project. This is the area you want to get very specific about. You can set clear boundaries from the beginning by outlining the exact scope of the project. Specify the number of revisions you’ll complete for the client and the process for receiving feedback.

Your deliverables list needs to include the essential elements of the website build and any additional parts of the project such as SEO work , setting up an online payment portal , or creating a blog . If you’re setting up your client with a no-code platform like Webflow, you can add a lot of value to your proposal by listing pages that can be templatized and offering basic training to their marketing team . Often the best way to do that training is just sending over a quick video of the process the marketing team can use as a reference.

The cost of the project is often the first thing your client will flip to when they receive your proposal. Make it clear and straightforward. The project budget should already have been discussed with the client, so the final ticket price shouldn’t come as a surprise for them.

Break down the major elements of your project and the overall cost of each piece. Many modern companies are moving away from these static presentations to interactive ones. They include features like before-and-after slides, external links to portfolios, or even iFrames, making everything more lively and informative.

All of them are designed with best practices in mind, and they’re 100% replicable, so you can use them as a foundation for your own deck.

Website design & development proposal

First off, this website design and development proposal really caught my eye with its modern look. It quickly gave me a sense of the company's style and their eye for detail.

I also appreciated how simple it was to customize—just plug in the potential client’s URL, and the editor automatically pulls in their logo and branding colors, which adds a nice personal touch.

The one thing I'd tweak? I'd include more visual elements, like a before-and-after slider or examples from their portfolio to really show off their work, sticking to the "show, don’t tell" principle.

New website development proposal

I chose this website development proposal because it's so easy to navigate and understand. It clearly lays out the problem before diving into the solutions and project details, which are neatly organized into separate tabs.

One thing I've always disliked about working with developers or website hosting providers is how often they use industry jargon.

It can be really off-putting when they don't make an effort to simplify their language for those who aren't as familiar with the terms.

So, if you have clients coming to you for expertise, opting for a layout that's straightforward to use can really help warm them up to the idea that you're the right person for the job.

This website development proposal is similar to the previous one but is specifically designed for WordPress websites.

While tech-savvy folks might handle setting up a WordPress site on their own, others find it too complex or want a custom design and prefer to outsource it.

I really liked that this proposal guided me through the whole process and clearly laid out the costs. It even included an embedded calendar, so I could easily book a meeting if I had more questions.

This attention to detail helps build trust with potential clients. The proposal could be even better with some Figma mockups showing what the finished website would look like on different devices, ideally tailored to the client’s niche and current website.

E-commerce website development proposal

Designing e-commerce websites is a bit different since you need a solid understanding of the customer's journey from discovering a product to making a purchase, as well as good UX design.

I really liked the running numbers slide in this proposal because it clearly shows why a client should pick you over the competition.

It’s also super handy that you can update the deck even after sending it. The logo placeholders are a nice touch for showing different integration options too.

It would be even more compelling if it included case studies demonstrating your understanding of e-commerce specifics and how your services have benefited other clients. This helps potential clients visualize how they could benefit in a similar way.

In this section, I’ll show you how to write a project proposal that stands out and wins clients, complete with examples.

1) Cover slide

Start your proposal with a concise introduction that doesn't overload your potential client with too much information right away.

The cover slide should clearly display essential details such as:

The client’s name

Your name or your company’s name

The project name

For the project name, skip the generic "Website Design Proposal" for something that resonates with your client’s goals.

Weave in the client's company name and a key benefit, like "Creating [Company]'s Digital Storefront: Conversion-Focused Web Design."

Balance is key: use a clean layout with a single striking visual element. While your agency's branding should be present, it shouldn't overshadow the client-focused message.

2) Problem statement

In your website design proposal, the problem statement sets the stage.

It's your chance to answer 2 key questions for your client: "Why are you here?" and "What do you hope to achieve?" Start with the challenges your client is facing, not the benefits you offer.

Why focus on challenges? Because often, people are more motivated to avoid pain than to pursue benefits.

This is known as loss aversion, and it's a powerful tool in your proposal toolkit.

So, what should your problem statement include? Really home in on what's troubling your client:

What specific issues are they up against?

Why did they come to you for solutions?

How would solving these problems change their business for the better?

Imagine their business thriving without these headaches—what does that look like?

Even if you’ve already discussed these points in previous meetings, repeating them in your proposal reinforces your understanding of their problems and commitment to solving them.

In the solution section of your proposal, it's time to spell out what you'll be delivering and how you plan to solve the client's problems.

Make sure each part of your service connects directly back to a benefit for the client’s business.

For example, explain how a redesigned website could boost user engagement, potentially increasing sales or enhancing brand visibility.

If you're optimizing the site for mobile users, highlight how this could draw in more customers who prefer browsing on their phones.

When explaining these solutions, focus on easing the client's pain points rather than delving into the technical details of the tools and features you’ll use.

Remember, it’s about making a real difference to their business and to their customers, not just using the latest tech.

Always consider the end-user—your client's customers. Showing that you understand their needs proves your commitment to the project's success and reassures your client that you're focused on what matters most.

In this section of your proposal, it’s key to list exactly what you’re going to deliver. This helps both you and your client understand exactly what’s included—and what isn’t. Being specific here sets clear boundaries right from the start.

Scope creep is a big risk in web design and development projects. It happens when the deliverables aren’t clearly defined from the beginning, leading to extra requests and expanded project scope without adjustments to timelines or costs.

For example, if creating content for the website isn’t something you do, be clear about that. If not, the client might assume it’s included, which can lead to issues down the line.

It’s also important to specify how many revisions are included and how feedback will be handled. This helps keep the project on track and within budget.

In the schedule section of your proposal, you'll want to lay out a clear timeline that details when the project will start, when it's expected to finish, and how long each key phase will take.

This sets a solid framework for both you and your client and helps keep everything on track.

Here's what to include:

Start and end dates: Kick things off by marking down the start and expected completion dates.

Phase details: Break the project into major parts—planning, design, development, and testing. Give each one a specific timeframe. This breakdown shows your client a clear path and helps manage expectations.

Include some wiggle room: Always good to plan for the unexpected. A little buffer time can go a long way if any surprises pop up. Plus, if things go smoother than expected, you might even wrap up early, which is always a pleasant surprise for your client.

Client responsibilities: Clearly outline any steps your client needs to take, like providing content or feedback. Set deadlines for these tasks to avoid any hold-ups on their end that could delay your progress.

Start off by having a chat about the budget with your client early on, even before you draft your proposal. This helps you figure out if the project is a good fit for both of you right from the start.

If the budget checks out, go ahead and detail your costs. Lay out everything clearly so your client can see exactly what they’re paying for.

It’s a good idea to offer at least two pricing packages. This way, you’re essentially competing with yourself rather than other designers, which can work to your advantage.

You could offer:

A basic, quicker package that’s more budget-friendly.

A premium package with all the extras for those who want more comprehensive services.

For clients who might want to spend a bit more, consider offering a fixed-price package with add-ons.

This allows them to customize their package to fit their needs while giving you the chance to maximize your earnings from those who opt for the higher-end options.

When you're reaching out to a potential client, one of the best things you can do is show them examples of your work that are really relevant to what they need. That's where case studies come in.

Look for projects you've done that are in the same industry as your potential client , or that dealt with challenges similar to what they're facing. This helps them picture how you could bring the same kind of success to their business.

When you're writing up a case study, start by describing what the situation was like before you got involved . Paint a picture of what your client was struggling with.

Then, walk them through the process of how you helped turn things around . Don't be afraid to get specific about the steps you took and the improvements you made.

If you have any visuals, like before-and-after shots or a graph showing the progress , include those - they can be really powerful.

Most importantly, highlight the real results your work achieved , whether that's more website visitors, increased sales, better customer reviews, or whatever metrics matter most in their industry. Hard numbers are great if you have them.

Oh, and if you have any quotes from the client about what it was like to work with you, definitely include those! There's nothing quite like a happy customer singing your praises to show your value.

Okay, let's jump into the 'Terms and Conditions'—not the most thrilling section of your proposal, but super important.

Getting this right sets the tone for everything that follows, so here’s what to include:

First off, sort out the payment details. It’s really important to be upfront about when and how you want to be paid to prevent any confusion down the line.

Also, if there are any delays that aren't your fault, or if the client wants changes that weren't part of the original agreement, it's fair to talk about additional fees that might apply .

If you're planning to use any of the client’s assets like logos or images, just explain how you intend to use them and any licensing details that need to be considered.

Finally, be sure to clarify how the client can use the designs, blueprints, and graphics you create . Are they owning them outright, or are they just licensed for specific uses? Clearing this up from the get-go helps everyone know where they stand.

9) Next steps slide

For your next steps slide, you'll want to keep things really clear and easy to follow.

You’ve put in all this effort to pitch your services—now's not the time to just throw up a thank-you slide and leave them guessing how to reach you.

They're probably considering a few different options, and you want to make yours the easiest to say yes to.

To keep the momentum going, pop a calendar link right into your proposal. This way, your client can easily book a follow-up meeting with you, keeping everything smooth and on schedule.

Also, let's ditch the old print, sign, and scan routine—it can be a bit of a hassle. Instead, use an e-signature tool that lets your client sign electronically. It’s quicker and a lot more convenient for both of you.

What Is a Web Design Proposal?

For example, you may point out that by implementing your design solution, the company will increase sales or conversion rates, or maybe, through your design, the company will increase its brand awareness, or maybe, you’ll help increase engagement on mobile devices and bring new clients.

Additionally, we can then add a list of project deliverables — a detailed list explaining what the client will receive in terms of products and services. This can appear as a separate part of the web design project, or combined with the next section.

This section is absolutely necessary, as it will help you avoid scope creep by presenting clear objectives. 

3. Schedule

This is where we will specify when the client can expect to receive drafts, prototypes, tests, rounds of corrections, etc.

We should also learn from the experience of others and clarify that our schedule is dependent on all the parties involved — the client, the outsourced experts — keeping to the schedule if we are to deliver all these assets on time.

Business proposal presentations are the culmination of a long sales process between you and your clients. If you don’t structure it correctly or take the time to craft one with care, you risk losing the client’s buy-in for your solution. So getting it right is essential.

Business Proposal Presentation

A business proposal presentation is a document that outlines a business solution for a customer after a lengthy consultation process. It is presented to the customer in either PDF or PowerPoint format, and can be paired with a contract for immediate signing.

Other formats that may be accepted include Google Docs or Google Slides, but PowerPoint is the industry standard. The presentation is then delivered in person or through a video conferencing tool such as Zoom.

Rarely, if ever, is a business proposal presentation sent to the customer for asynchronous perusal. Rather, it’s presented live in a customer meeting . That will give you the opportunity to sell them even more on the solutions you offer and persuade them to make a decision within a reasonable time frame.

When crafting your proposal presentation, there are a few quick best practices to keep in mind.

  • Personalize the presentation . While it’s totally fine to reuse a PowerPoint presentation template , you don’t want to accidentally include another business’ name on the deck. So be sure to go through every slide and personalize it for the customer’s goals and pain points.
  • Send a pre-meeting email with an agenda. To prepare your customer for the presentation, it’d be wise to send a pre-meeting email with a quick, scannable sales agenda detailing how the meeting will go. That way, you can set the right expectations and keep you both on track.
  • Plan your in-person customer visit. If you’re meeting the customer in person, there will be a few more elements at play, such as an office tour and even a colleague introduction. That can quickly lead to lost time, so use this guide to plan a customer visit that stays on track and helps you effectively sell your solution.
  • Pay attention to the design of the deck . Your clothes and demeanor may be in tip-top shape, but if your deck is messy and poorly designed, then the effectiveness of your points will be diminished. Use a PowerPoint template and check out a few sales presentation examples to inspire you.
  • Keep the presentation short and precise. Keep your presentation as short as possible, about 15 to 20 minutes. The longer you speak to your clients, the less they’ll remember.

  • Present your solution — and sell them a vision.
  • Establish a clear follow-up timeline at the end of the meeting.

1. Optimize your meeting time from the start.

When presenting a proposal, it’s important to remember that your clients are busy. They have other meetings to attend, phone calls and emails to return, and problems to solve. Time is their most precious asset. Here are a few tips to optimize the time you spend with your customers:

  • Arrive early . This is a no-brainer, but arrive to the meeting with at least ten minutes to spare, especially if it’s in person. Use this buffer to use the bathroom, rehearse your introduction, and even set up the meeting space.
  • Rehearse setting up the projector or sharing your screen before the meeting . If you’re carrying out a meeting in person, you don’t want to waste ten minutes figuring out how to project your laptop’s screen. Carry several adapters with you and have a fail-safe plan, such as bringing a tablet with a copy of the presentation. If the meeting is over Zoom, practice sharing your screen so that your notes aren’t visible.
  • Keep your introduction short. Leave space for banter and rapport, but keep your personal introduction short. Small talk should be reduced as much as possible — you shouldn’t spend twenty minutes talking about the weather, unless you sell a weather-related solution.

2. Have a clear agenda.

Your presentation must have a clear and compelling agenda, which you can share right at the start (in addition to having shared it over email before the meeting).

The meeting should begin with compelling reasons to consider your proposal and culminate with a specific request for the business. Here’s an agenda template you can use to structure your meeting:

  • Challenge/Opportunity. Begin your presentation by illustrating the opportunity or challenge that your client is overlooking. Make sure it’s compelling enough to motivate your client to listen to the rest of your presentation.
  • Benefits . Discuss the benefits that your client will achieve by adopting your solution. Use a customer case study or testimonial to support your point.
  • Plan . Present your plan or options to resolve the client’s challenge/opportunity.
  • Company . Briefly share your company’s background, including who your company helps with these issues.
  • Recommend . Before closing your presentation, be sure to ask for the client’s business. You might close by asking the client, “Do you believe that the solution that I’ve presented will effectively help you overcome your challenges and achieve your goals?”

In the presentation, include a few bullet points that outline these parts of the meeting, so that the client knows what to expect.

3. Open up with the customer’s problems and challenges.

As mentioned, you’ll begin the meeting with a challenge or opportunity. Don’t walk into the meeting and immediately start talking about yourself or your company or your products. If you do this, your client will immediately focus on cost and product features, often ending the meeting before you’ve had a chance to finish.

Instead, focus on re-emphasizing the customer’s challenges and pain points. Your clients want to know how they can beat their competitors, reach new customers, retain existing customers, and increase profit margins. But before you can sell them your product, you have to emphasize the graveness of the issue they’re facing and illustrate how their challenges will prevent them from achieving these goals.

For instance, if 30% of their customers are churning, and you sell a business solution that can help reduce churn, you might open up your presentation with how their revenue will continue to be impacted by this loss. This will emphasize the urgency of the problem and help you create a stronger pitch later.

4. Pause and ask questions.

After you’ve spoken for a few minutes, stop and ask your client a question. This is a great way to stay in control of the meeting while allowing your client to interact with the sales presentation.

Here are some questions that you might ask:

  • Have I summarized your challenges correctly?
  • Is there anything I’ve missed that you’d like to add?
  • Am I right in saying that you want to solve this problem in the next quarter?

5. Lead with stories, not data.

While clients value data, they are also realistic about what data can — and cannot — tell them. They’ve seen many projects fail despite the glowing research results, and they’ve seen projects succeed despite the lack of any data to back it up.

So, introduce stories first, then the data to back it up. Come to the presentation armed with customer experiences and competitor moves. Your clients are far more interested in what other businesses like them have experienced and what their competitors are doing. They’re not all that interested in the latest research study, but you can use a study to support your points and lend credence to an anecdote.

6. Don’t read off of your PowerPoint slides.

Let the deck complement your points. If you read directly off the slides, you’ll quickly bore your customer, and the impact of what you’re saying won’t land.

Keep your slides simple, too, so that you’re not tempted to read off of them. Most slides are far too complex — too much text, distracting designs, and unrelated images.

You should only put one picture and one line of text on a slide. No more. Your clients can only absorb so much at once, and if they’re too busy trying to sort out paragraphs upon paragraphs on the screen, most of what you’ll say will be missed.

7. Present your solution — and sell them a vision.

After you’ve re-established the business challenge and spoken to the customer’s pain points, it’s time to present your product or service as a solution. But it’s important to not stop here — you have to also sell them a vision of what their business will look like after they take care of the problem.

Will they experience increased sales? Streamlined processes? Better customer retention? And what will that look like a few years from now? Don’t exaggerate, but don’t be afraid to show them how your product can create a much positive future for their business.

8. Establish a clear follow-up timeline at the end of the meeting.

This is maybe the most important part of your business proposal presentation. Tell your customer what will happen after the presentation, so that there’s no ambiguity regarding next steps.

We highly recommend establishing a clear follow-up date. Don’t say, “I’ll follow up in about a week.” Instead, try, “Is it okay if I call you on Friday, May 10th?”

We also recommend creating a timeline after the follow-up call. For instance, you might say you’ll call on a certain date, and then you’ll send the contract over using a tool such as PandaDoc , Qwilr , or Proposify . Your contract will be in your customer’s hand for a week, and then on the following Wednesday, you’ll follow-up once again to see if the customer has any questions.

Adjust this timeline depending on your customer, sales cycle length , and industry. Such a short timeline might not suit a product that costs thousands of dollars and requires a yearly commitment. However, it might suit a product that only costs a few hundred dollars a year.

While it is text heavy, it includes plenty of information for Malta’s government to make a decision. That’s why it’s important to know your audience. Being able to effectively present proposals is key to your success. To be effective, get to the point and focus on vision and stories. Use PowerPoint or Keynote as supporting material and be sure to keep it short.
