If you’ve ever heard someone give a powerful presentation, you probably remember how it made you feel. Much like a composer, a good speaker knows precisely when each note should strike to captivate their audience’s attention and leave them with a lasting impression.

No one becomes a great public speaker or presenter without practice. And almost everyone can recall a time one of their presentations went badly — that’s a painful part of the learning process.

Whether you’re working within a small creative team or a large organization, public speaking and presentation skills are vital to communicating your ideas. Knowing how to present your vision can help you pitch concepts to clients, present ideas to your team, and develop the confidence to participate in team meetings.

If you have an upcoming presentation on the horizon and feel nervous, that’s normal. Around 15-30% of the general population experience a fear of public speaking . And, unfortunately, social anxiety is on the rise, with a 12% increase in adults over the last 20 years . 

Learning how to give a good presentation can dismantle your fears and break down these barriers, ensuring you’re ready to confidently share your point of view. 

It’s the week before your presentation, and you’re already feeling nervous . Maybe there’ll be an important mentor in the room you need to impress, or you’re looking for an opportunity to show your boss your value. Regardless of your countless past presentations, you still feel nervous. 

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

It’s helpful to identify where your worries are coming from and address your fears. Here are some common concerns when preparing for an upcoming presentation:

Fear of public speaking: When you share your ideas in front of a group, you’re placing yourself in a vulnerable position to be critiqued on your knowledge and communication skills . Maybe you feel confident in your content, but when you think about standing in front of an audience, you feel anxious and your mind goes blank.

It’s also not uncommon to have physical symptoms when presenting . Some people experience nausea and dizziness as the brain releases adrenaline to cope with the potentially stressful situation . Remember to take deep breaths to recenter yourself and be patient, even if you make a mistake.

Losing the audience’s attention: As a presenter, your main focus is to keep your audience engaged. They should feel like they’re learning valuable information or following a story that will improve them in life or business.

Highlight the most exciting pieces of knowledge and ensure you emphasize those points in your presentation. If you feel passionate about your content, it’s more likely that your audience will experience this excitement for themselves and become invested in what you have to say.

Not knowing what content to place on presentation slides: Overloading presentation slides is a fast way to lose your audience’s attention. Your slides should contain only the main talking points and limited text to ensure your audience focuses on what you have to say rather than becoming distracted by the content on your slides.

Discomfort incorporating nonverbal communication: It’s natural to feel stiff and frozen when you’re nervous. But maintaining effective body language helps your audience stay focused on you as you speak and encourages you to relax.

If you struggle to incorporate body language into your presentations, try starting small by making hand gestures toward your slides. If you’re working with a large audience, use different parts of the stage to ensure everyone feels included. 

Each presenter has their own personal brand and style. Some may use humor to break the ice, while others might appeal to the audience’s emotional side through inspiring storytelling. 

Watching online presentations, such as TED talks, is an excellent way to expose yourself to various presentation styles and develop your own. While observing others, you can note how they carry themselves on stage and learn new ways to keep your audience engaged.

Once you’ve addressed what’s causing your fears, it’s time to prepare for a great presentation. Use your past experience as inspiration and aim to outshine your former self by learning from your mistakes and employing new techniques. Here are five presentation tips to help you create a strong presentation and wow your audience:

1. Keep it simple

Simple means something different to everyone.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

If you give away all of your answers too quickly, your audience could lose interest. And if there isn’t enough supporting information, they could hit a roadblock of confusion. Try developing a compelling story that leads your audience through your thought processes so they can experience the ups and downs alongside you. 

By structuring your presentation to lead up to a final conclusion, you’re more likely to keep listeners’ attention. Once you’ve reached that conclusion, you can offer a Q&A period to put any of their questions or concerns to rest. 

3. Use visual aids

Appealing to various learning styles is a great way to keep everyone on the same page and ensure they absorb your content. Visual aids are necessary for visual learners and make it easier for people to picture your ideas.

Aim to incorporate a mixture of photos, videos, and props to engage your audience and convey your key points. For instance, if you’re giving a presentation on anthropology subject matter, you could show your audience an artifact to help them understand how exciting a discovery must have been. 

If your presentation is long, including a video for your audience to watch is an excellent way to give yourself a break and create new jumping-off points for your speech.

4. Be aware of design techniques and trends

Thanks to cutting-edge technology and tools, you have numerous platforms at your disposal to create a good presentation. But keep in mind that although color, images, and graphics liven things up, they can cause distraction when misused.

  Here are a few standard pointers for incorporating visuals on your slides: 

  • Don’t place blocks of small text on a single slide
  • Use a minimalistic background instead of a busy one
  • Ensure text stands out against the background color
  • Only use high-resolution photos
  • Maintain a consistent font style and size throughout the presentation
  • Don’t overuse transitions and effects

5. Try the 10-20-30 rule

Guy Kawasaki, a prominent venture capitalist and one of the original marketing specialists for Apple, said that the best slideshow presentations are less than 10 slides , last at most 20 minutes, and use a font size of 30. Following this strategy can help you condense your information, eliminate unnecessary ideas, and maintain your audience’s focus more efficiently.

Once you’re confident in creating a memorable presentation, it’s time to learn how to give one. Here are some valuable tips for keeping your audience invested during your talk: 

Tip #1: Tell stories

Sharing an anecdote from your life can improve your credibility and increase your relatability. And when an audience relates to you, they’re more likely to feel connected to who you are as a person and encouraged to give you their full attention, as they would want others to do the same.

Gill Hicks utilized this strategy well when she shared her powerful story, “ I survived a terrorist attack. Here’s what I learned .” In her harrowing tale, Hicks highlights the importance of compassion, unconditional love, and helping those in need.

If you feel uncomfortable sharing personal stories, that’s okay. You can use examples from famous individuals or create a fictional account to demonstrate your ideas.

Tip #2: Make eye contact with the audience

Maintaining eye contact is less intimidating than it sounds. In fact, you don’t have to look your audience members directly in their eyes — you can focus on their foreheads or noses if that’s easier.

Try making eye contact with as many people as possible for 3–5 seconds each. This timing ensures you don’t look away too quickly, making the audience member feel unimportant, or linger too long, making them feel uncomfortable.

If you’re presenting to a large group, direct your focus to each part of the room to ensure no section of the audience feels ignored.

Tip #3: Work on your stage presence

Although your tone and words are the most impactful part of your presentation, recall that body language keeps your audience engaged. Use these tips to master a professional stage presence:

  • Speak with open arms and avoid crossing them
  • Keep a reasonable pace and try not to stand still
  • Use hand gestures to highlight important information

Tip #4: Start strong

Like watching a movie trailer, the first seconds of your talk are critical for capturing your audience’s attention. How you start your speech sets the tone for the rest of your presentation and tells your audience whether or not they should pay attention. Here are some ways to start your presentation to leave a lasting impression:

  • Use a quote from a well-known and likable influential person 
  • Ask a rhetorical question to create intrigue
  • Start with an anecdote to add context to your talk 
  • Spark your audience’s curiosity by involving them in an interactive problem-solving puzzle or riddle

Tip #5: Show your passion

Don’t be afraid of being too enthusiastic. Everyone appreciates a speaker who’s genuinely excited about their field of expertise. 

In “ Grit: The Power of Passion and Perseverance ,” Angela Lee Duckworth discusses the importance of passion in research and delivery. She delivers her presentation excitedly to show the audience how excitement piques interest. 

Tip #6: Plan your delivery

How you decide to deliver your speech will shape your presentation. Will you be preparing a PowerPoint presentation and using a teleprompter? Or are you working within the constraints of the digital world and presenting over Zoom?

The best presentations are conducted by speakers who know their stuff and memorize their content. However, if you find this challenging, try creating notes to use as a safety net in case you lose track.

If you’re presenting online, you can keep notes beside your computer for each slide, highlighting your key points. This ensures you include all the necessary information and follow a logical order.

Tip #7: Practice

Practice doesn’t make perfect — it makes progress. There’s no way of preparing for unforeseen circumstances, but thorough practice means you’ve done everything you can to succeed.

Rehearse your speech in front of a mirror or to a trusted friend or family member. Take any feedback and use it as an opportunity to fine-tune your speech. But remember: who you practice your presentation in front of may differ from your intended audience. Consider their opinions through the lens of them occupying this different position.

Tip #8: Read the room

Whether you’re a keynote speaker at an event or presenting to a small group of clients, knowing how to read the room is vital for keeping your audience happy. Stay flexible and be willing to move on from topics quickly if your listeners are uninterested or displeased with a particular part of your speech.

Tip #9: Breathe

Try taking deep breaths before your presentation to calm your nerves. If you feel rushed, you’re more likely to feel nervous and stumble on your words.

The most important thing to consider when presenting is your audience’s feelings. When you approach your next presentation calmly, you’ll put your audience at ease and encourage them to feel comfortable in your presence.

Tip #10: Provide a call-to-action

When you end your presentation, your audience should feel compelled to take a specific action, whether that’s changing their habits or contacting you for your services.

If you’re presenting to clients, create a handout with key points and contact information so they can get in touch. You should provide your LinkedIn information, email address, and phone number so they have a variety of ways to reach you. 

There’s no one-size-fits-all template for an effective presentation, as your unique audience and subject matter play a role in shaping your speech. As a general rule, though, you should aim to connect with your audience through passion and excitement. Use strong eye contact and body language. Capture their interest through storytelling and their trust through relatability.

Learning how to give a good presentation can feel overwhelming — but remember, practice makes progress. Rehearse your presentation for someone you trust, collect their feedback , and revise. Practicing your presentation skills is helpful for any job, and every challenge is a chance to grow.

Ten simple rules for giving an effective presentation

Everyone has to give presentations at some point. Whether pitching a new product, presenting at a lab meeting, or giving a talk at a conference, the ability to give an effective, engaging, and persuasive talk cannot be understated. Unfortunately, these skills are rarely taught formally in school. I’ll present ten simple rules that will help reduce your anxiety and make your presentations as effective as possible.

1. Have something worth presenting

This is probably the most important rule, which is why it’s Rule 1. If you don’t have something worth presenting, you shouldn’t be asking people to spend an hour of their time listening to you. Thankfully, you were probably invited or asked to present because you have something worth presenting. 

What does it mean to have something worth presenting? Related to Rule 4, you should have one key message that you want to impart to your audience. It could be a new fact, a proposal you have, an argument you want to make, or a call to action. Whatever it is, it should be genuine, novel, and something you’re excited to tell people about.

2. Organize your presentation

In fifth grade, we learned that essays should have an introduction, body, and conclusion, and every body paragraph should have a topic sentence, evidence, and a concluding sentence. This is still a great organizing principle for your presentation. How do you organize a verbal talk, where your audience can’t go back to listen to your introduction again? I like to have an outline slide where I talk about how my presentation will be structured. On subsequent slides, or at various points in my talk, I’ll reference this outline with a phrase like “We’ve talked about bananas and apples so far as examples of very popular fruits. Now I’ll switch to talking about durian, which is significantly less popular.”

3. Show rather than tell on slides

I can’t tell you how many times I have seen slide decks where every slide is stuffed full of words and pictures — even from the most seasoned professors. While it may be tempting to have everything on your slides (maybe to refer to during your talk: see Rule 6), people will pay attention to what’s on them than to what you are saying. Instead, use slides as they were meant to be used — visuals to accompany your talk. Often, the best talks will not even have titles on their slides, just a figure or a picture or a phrase to make a point. 

4. Less is more

Your goal in giving a presentation is to leave your audience with one key message. A year from now, if asked what your presentation was about, they should be able to recall that message. Try to hammer in the key message over and over again, and present evidence and logic that point to this conclusion. It will be tempting to try to provide as much new information as possible, but a recent study [2] showed that when hearing stories, people enjoyed familiar stories more than novel ones, probably because they already have an idea how these stories are structured. The easier you make it for your listeners to follow your talk (by streamlining your message), the more they will enjoy it and remember it a year from now.

5. Plan to take less time than allotted

Relating to Rule 4, it is essential to plan your presentation with some amount of buffer time. The first 10 minutes allotted to your talk might melt away as a result of a previous presenter running late or various tech issues. People might interrupt your talk to ask questions. The last thing you want to happen to you is to be rushed because of factors out of your control. Instead, if you’re allotted an hour for your talk, plan it for 45 minutes. Also, do not underestimate how much your audience will appreciate it if you let them out early!

6. Be aware of your facial expression and eyes

Your audience is the people sitting in front of you, not the projector screen behind you. People naturally pay attention when someone is looking directly at them while talking. Conversely, they will tune out if your eyes are not on them. To keep people’s attention, make eye contact with different parts of your audience periodically — focus on one person in each “sector” of your audience. Look back at your slides briefly to point at something with your pointer or gesture at something, but don’t read off your slides or have your body turned towards the screen. Finally, bring a smile and lots of excitement. If you are excited about your topic, at least part of your audience will also be excited — but if you seem bored and uninterested, no one will be engaged. 

7. Use hand motions and movement to your advantage

Related to Rule 6, gestures and movement are a very effective way to engage with your audience. You can point at parts of your slide, or make hand gestures to make a point, or set out the organization of your talk. People also naturally pay more attention to someone who is moving than someone who is standing motionlessly behind the podium. If possible, get out from behind the podium and use the entire stage to your advantage! Moving purposefully also has the added effect of making you feel more confident, and the audience perceiving you as more confident because you aren’t “hiding” behind the podium.

8. Pause frequently, speak slowly, and remember to breathe

One of the most underrated skills in communication is pausing. When used correctly, pauses can have dramatic effect by underscoring a point that you just made. I think the longest intentional pause I’ve heard in a talk is 5 seconds, which may sound like an eternity when you’re onstage but certainly is not for the audience. You can also take advantage of the power of pauses by simply pausing whenever you feel the need to regroup your thoughts, instead of using a filler word such as “like” or “um”. Many studies have shown that pauses signal competence, while filler words signal lack of competence. 

When you do speak, speak clearly and slowly, and enunciate. The easier the listener’s job is, the more likely he or she will understand and retain your message. Many novice presenters make the mistake of speaking far too quickly, 

9. Practice, but do not memorize

Whoever said practice makes perfect was absolutely right with regards to presentations. Practicing out loud (to your dog, significant other, or anyone else — or even the mirror!) has the benefit of helping you assess whether your sentences are understandable, or whether they’re too wordy or awkward. Practicing is also important for building effective transitions, developing phrases that are concise and powerful, and trying out gestures. Even the most experienced orators and speakers practice and look to others for advice and suggestions, so don’t be shy and grab a friend to listen to your talk!

When you practice, time yourself and make it as close to the real deal as possible. For a public speaking class I took in college, I practiced in front of the mirror so that I could have a virtual audience. Others film themselves to watch for tics, awkward moments, or other things to add or avoid. Be careful about sounding scripted — your talk should (in most settings) be natural and conversational.

10. Practice one more time than you think you should

The more you practice, the better your talk will be. That extra practice round will build even more confidence and help you sort out those last-minute problems.

Don't read your presentation straight from the slides

If your audience can both read and hear, it’s a waste of time for you to simply read your slides aloud. Your audience will zone out and stop listening to what you’re saying, which means they won’t hear any extra information you include.

Instead of typing out your entire presentation, include only main ideas, keywords, and talking points in your slide show text. Engage your audience by sharing the details out loud.

To keep your audience from feeling overwhelmed, you should keep the text on each slide short and to the point. Some experts suggest using the 5/5/5 rule : no more than five words per line of text, five lines of text per slide, or five text-heavy slides in a row.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

If you can bring yourself to relax, you will almost certainly present better. If you can actually start to enjoy yourself, your audience will respond to that, and engage better. Your presentations will improve exponentially, and so will your confidence. It’s well worth a try.

When giving presentations, either on a video conference call or in person, your slides, videos and graphics (or lack of them) can be an important element in helping you tell your story or express your idea. This is the first of a series of blog posts that will give you tips and tricks on how to perfect your visual presentations.

Your job as a presenter is to build your idea -- step-by-step -- in the minds of your audience members. One tool to do that is presentation graphics, such as slides and videos.

Why graphics for your presentation?

A common mistake is using slides or videos as a crutch, even if they don’t actually add anything to your presentation. Not all presentations need graphics. Lots of presentations work wonderfully with just one person standing on a stage telling a story, as demonstrated by many TED Talks.

You should only use slides if they serve a purpose: conveying scientific information, art, and things that are hard to explain without pictures. Once you have decided on using slides, you will have a number of decisions to make. We’ll help you with the basics of making a presentation that is, above all, clear and easy to understand. The most important thing to remember here is: less is more.

Less is so much more

You want to aim for the fewest number of slides, the fewest number of photos, the fewest words per slide, the least cluttered slides and the most white space on your slides. This is the most violated slide rule, but it is the secret to success. Take a look at these examples.

As you can see in the above example, you don’t need fancy backgrounds or extra words to convey a simple concept. If you take “Everything you need to know about Turtles”, and delete “everything you need to know about” leaving just “turtles”, the slide has become much easier for your audience to read, and tells the story with economy.

The above example demonstrates that a single image that fills the entire screen is far more powerful than a slide cluttered with images. A slide with too many images may be detrimental to your presentation. The audience will spend more mental energy trying to sort through the clutter than listening to your presentation. If you need multiple images, then put each one on its own slide. Make each image high-resolution and have it fill the entire screen. If the photos are not the same dimensions as the screen, put them on a black background. Don’t use other colors, especially white.

Your slides will be much more effective if you use the fewest words, characters, and pictures needed to tell your story. Long paragraphs make the audience strain to read them, which means they are not paying attention to you. Your audience may even get stressed if you move on to your next slide before they’ve finished reading your paragraph. The best way to make sure the attention stays on you is to limit word count to no more than 10 words per slide. As presentation expert Nancy Duarte says “any slide with more than 10 words is a document.” If you really do need a longer explanation of something, handouts or follow-up emails are the way to go.

Following a “less is more” approach is one of the simplest things you can do to improve your presentation visuals and the impact of your presentation overall. Make sure your visuals add to your presentation rather than distract from it and get your message across.

8 rules of effective presentation

Right now, it becomes more and more difficult for our brains to perceive the full diversity of digital content. Still, sooner or later, your college task will be to create it by yourself. Images, sounds, and messages overload our brains, so if you want to make an excellent and effective presentation, you should work hard. To cope with tons of information, you need to learn how to structure and present it correctly.

So, how to create a compelling college presentation and what mistakes to avoid?

Rule #1. Use the content to make your audience engaged

First of all, you should offer an engaging, well-structured, and successfully submitted content. This is the most significant part of your presentation design , and it’ll be evaluated in the first place. You don’t want your peers to look for their phones during the speech, do you? Be prepared to accept the fact that most people are not ready to listen to your words carefully. So your task is to change their opinion and make them pay attention.

Rule #2. Don’t read the text from the slides

As a rule, people don’t like it when the speaker repeats the text placed on the slides of their presentation. You must explain the information on each slide with your own words to make it sound persuasive. Otherwise, there is a risk that both your professor and your peers will simply fall asleep.

Rule #3. Don’t be too brief

Usually, the audience does not tolerate the fonts and images in a presentation that are too small. You can come up with a brilliant text for each slide, but all your creative work will be wasted if this text is not readable.

Rule #4. Make jokes and be sincere

If your topic allows, try to make a joke or two. Read these jokes to your friends first and check if they like it. Look at your audience, stop to make conclusions, smile. Even your professor will appreciate your communicative skills and charisma.

Rule #5. Use the right fonts

Believe it or not, but the font does affect the reader’s confidence in the text. Forty thousand people participated in the research to prove it. They were shown the same paragraph typed in different fonts: Comic Sans, Computer Modern, Georgia, Trebuchet, Baskerville, Helvetica. The results are the following: the text that is written in Comic Sans and Helvetica does not inspire readers’ confidence, but the Baskerville font, on the contrary, receives consent and approval. According to psychologists, this is due to its formal appearance.

Rule #6. Visualize

We all perceive information differently. When your professor asks you to make a lovely presentation, they usually have a particular image in their mind. And it may differ from yours a lot. Therefore, it is better to show pictures than to explain everything in words. Try to use clear illustrations for your key messages.

Rule #7. Simplify

Remember that “less” does not mean “boring.” It’s OK to use a white background. Don’t try to “decorate” the slide with a large number of objects if you can explain its essence in one word or picture. Using illustrations and a minimum of text, you can communicate with your peers and professor more effectively and grab their attention.

Rule #8. Practice makes it perfect

Creating an effective presentation is not just adding cool content and pictures to the slides; it is also the ability to present them. While making a speech, you should be understood, heard, and accepted. When you start to rush and jump from the 1st slide to 7th, and then back to 3rd, you will most likely forget something important. Will your professor understand something? I do not think so.

Continuing our “Ten Simple Rules” series [ 1 – 5 ], we consider here what it takes to make a good oral presentation. While the rules apply broadly across disciplines, they are certainly important from the perspective of this readership. Clear and logical delivery of your ideas and scientific results is an important component of a successful scientific career. Presentations encourage broader dissemination of your work and highlight work that may not receive attention in written form.

Rule 1: Talk to the Audience

We do not mean face the audience, although gaining eye contact with as many people as possible when you present is important since it adds a level of intimacy and comfort to the presentation. We mean prepare presentations that address the target audience. Be sure you know who your audience is—what are their backgrounds and knowledge level of the material you are presenting and what they are hoping to get out of the presentation? Off-topic presentations are usually boring and will not endear you to the audience. Deliver what the audience wants to hear.

Rule 2: Less is More

A common mistake of inexperienced presenters is to try to say too much. They feel the need to prove themselves by proving to the audience that they know a lot. As a result, the main message is often lost, and valuable question time is usually curtailed. Your knowledge of the subject is best expressed through a clear and concise presentation that is provocative and leads to a dialog during the question-and-answer session when the audience becomes active participants. At that point, your knowledge of the material will likely become clear. If you do not get any questions, then you have not been following the other rules. Most likely, your presentation was either incomprehensible or trite. A side effect of too much material is that you talk too quickly, another ingredient of a lost message.

Rule 3: Only Talk When You Have Something to Say

Do not be overzealous about what you think you will have available to present when the time comes. Research never goes as fast as you would like. Remember the audience's time is precious and should not be abused by presentation of uninteresting preliminary material.

Rule 4: Make the Take-Home Message Persistent

A good rule of thumb would seem to be that if you ask a member of the audience a week later about your presentation, they should be able to remember three points. If these are the key points you were trying to get across, you have done a good job. If they can remember any three points, but not the key points, then your emphasis was wrong. It is obvious what it means if they cannot recall three points!

Rule 5: Be Logical

Think of the presentation as a story. There is a logical flow—a clear beginning, middle, and an end. You set the stage (beginning), you tell the story (middle), and you have a big finish (the end) where the take-home message is clearly understood.

Rule 6: Treat the Floor as a Stage

Presentations should be entertaining, but do not overdo it and do know your limits. If you are not humorous by nature, do not try and be humorous. If you are not good at telling anecdotes, do not try and tell anecdotes, and so on. A good entertainer will captivate the audience and increase the likelihood of obeying Rule 4.

Rule 7: Practice and Time Your Presentation

This is particularly important for inexperienced presenters. Even more important, when you give the presentation, stick to what you practice. It is common to deviate, and even worse to start presenting material that you know less about than the audience does. The more you practice, the less likely you will be to go off on tangents. Visual cues help here. The more presentations you give, the better you are going to get. In a scientific environment, take every opportunity to do journal club and become a teaching assistant if it allows you to present. An important talk should not be given for the first time to an audience of peers. You should have delivered it to your research collaborators who will be kinder and gentler but still point out obvious discrepancies. Laboratory group meetings are a fine forum for this.

Rule 8: Use Visuals Sparingly but Effectively

Presenters have different styles of presenting. Some can captivate the audience with no visuals (rare); others require visual cues and in addition, depending on the material, may not be able to present a particular topic well without the appropriate visuals such as graphs and charts. Preparing good visual materials will be the subject of a further Ten Simple Rules. Rule 7 will help you to define the right number of visuals for a particular presentation. A useful rule of thumb for us is if you have more than one visual for each minute you are talking, you have too many and you will run over time. Obviously some visuals are quick, others take time to get the message across; again Rule 7 will help. Avoid reading the visual unless you wish to emphasize the point explicitly, the audience can read, too! The visual should support what you are saying either for emphasis or with data to prove the verbal point. Finally, do not overload the visual. Make the points few and clear.

Rule 9: Review Audio and/or Video of Your Presentations

There is nothing more effective than listening to, or listening to and viewing, a presentation you have made. Violations of the other rules will become obvious. Seeing what is wrong is easy, correcting it the next time around is not. You will likely need to break bad habits that lead to the violation of the other rules. Work hard on breaking bad habits; it is important.

Rule 10: Provide Appropriate Acknowledgments

People love to be acknowledged for their contributions. Having many gratuitous acknowledgements degrades the people who actually contributed. If you defy Rule 7, then you will not be able to acknowledge people and organizations appropriately, as you will run out of time. It is often appropriate to acknowledge people at the beginning or at the point of their contribution so that their contributions are very clear.

As a final word of caution, we have found that even in following the Ten Simple Rules (or perhaps thinking we are following them), the outcome of a presentation is not always guaranteed. Audience–presenter dynamics are hard to predict even though the metric of depth and intensity of questions and off-line followup provide excellent indicators. Sometimes you are sure a presentation will go well, and afterward you feel it did not go well. Other times you dread what the audience will think, and you come away pleased as punch. Such is life. Many forms of media and communication take the idea of attention capture very seriously- think about the last time you saw a TV ad the ad was likely a few seconds long and the creators worked very hard to get the message across in those few seconds- every aspect was optimized knowing fully well that precious attention from the audience is likely to wander off if anything goes off tangent in the advertisement. There is more: think of posters, of banner ads on websites- all of these are designed around constraints of space or time- limiting how much time and attention the audience could really give.

Now think of PowerPoint presentations: the audience behavior is likely to not deviate much: In fact, studies have indicated that the average duration of focused attention span is 8 seconds, down from 12 seconds in 2020; there are enough distractions in today’s digital world that drive these trends.

Bottom line is, presenters need to actively think about the topic of holding the attention of their audience. The ease of editing slides in tools like PowerPoint is a proverbial double-edged sword -since it is so easy to add slides, text, graphics, etc that the presenters often can do too much without seeing the slippery slope they are on when that occurs. 

Presentation Rules To Maximize Attention Span

Each of the following rules presents powerful ideas towards capturing and holding the audience’s attention. These can be used in isolation or combined to cater to your specific requirements and objectives for a presentation.

Guy Kawasaki , a venture capitalist well versed in making and assessing presentations, came up with the 10-20-30 Rule. He created this rule in response to hundreds of entrepreneurs pitching their ideas to him using dense 60+ slides PowerPoint presentations to explain something that could have been explained in 10. While he made the rule in the realm of venture capitalism and start-up pitches , the 10-20-30 Rule can be applied pretty much unanimously for every business need.

The rule states that each presentation should have no more than 10 slides each. The total time taken for the presentation should not exceed 20 minutes. And the font size for all the text in the presentation should not be less than 30 px. 

10 Slides – This is in reference to people’s attention spans and the power of retention. For the average human, the information given concisely and carefully is more effective, rather than long-winded explanations and detailed descriptions. Thus, 10 slides are the optimum number of slides to put relevant information that can actually be retained. 

20 Minutes – This is the maximum time an audience is willing to give you after experiencing several bouts of attention loss. So, wrap up your presentation within 20 minutes to keep the audience interested and focused.

30 px font size – The dilemma of putting in more information at the expense of font size is a struggle every presenter’s faces. However, having the bottom line read 30 px for the font size constrains a presenter into making their information short and effective, rather than relying on long-winded explanations crammed onto a page in 10px font size.

The 5-5-5 Rule follows the principles of the 10-20-30 Rule, in the sense that it seeks to quantify the structure of a presentation. However, it delves deeper into the details of PowerPoint presentations through the number 5 and talks about structuring information within a single slide.

The three 5s stand for

5 words – There should be no more than 5 words in one sentence (in a slide). This keeps the sentence focused only on the objectives, rather than creating a whole story around it.

5 sentences – There should be no more than 5 sentences or lines of text on a single slide. This makes each slide that much more approachable and readable for the audience. 

5 slides – There should not be 5 text-heavy slides within a presentation in a row. Space them out as much as possible. Having text-heavy slides back to back can cause information overload and fatigue in the audience.

One of our guiding principles is the notion of a “Single Big Idea”. The premise of this idea is two-fold. The overall presentation should be focused on the main vision and goal of the presentation. For instance, if the goal is customer acquisition, the whole presentation, tonality, graphics, story flow, messaging should be focused on customer acquisition. 

Moreover, each slide should also follow the concept of a “single big idea”. Treat each slide with the reverence given to the overall presentation, ensuring that each element, be it visual or textual, aligns with and reinforces the larger idea being presented on that slide.

One of the best tools in a presenter’s toolbox for making presentations is storytelling . We as human beings love stories and absorb messages without even realizing it.

One of the ways to structure your PowerPoint presentations is to narrativize them. The 15-75-10 rule is one way to do it

The 15% Introduction : This should be about 15% of the whole presentation, wherein you introduce yourself if needed, and the larger idea that you intend to convey within the presentation. You can also establish your touchpoints and objectives right at the beginning. 

The 75% Body : Consisting of about 75% of the presentation, the body is where each of your touchpoints is elaborated on using anecdotes, examples, statistics, and information related to them. The body should answer the questions of what, why, and how for the topic.

The 10% Conclusion : The last 10% of your presentation should be the conclusion. A good conclusion is not just a conclusion slide with a thank you note on it. A solid conclusion summarises the presentation, talks about key points of focus, provides contact information, has a call-to-action, and prompts audience engagement to recall and revise everything said during the presentation. Conclusions are brief but powerful parts of a presentation.

What happens when you have to give a presentation to an audience that might have some professionals who have more expertise on the topic than you do? While it can be intimidating, it can also be an opportunity to leverage their deep and diverse expertise in service of the group’s learning. And it’s an opportunity to exercise some intellectual humility, which includes having respect for other viewpoints, not being intellectually overconfident, separating your ego from your intellect, and being willing to revise your own viewpoint — especially in the face of new information. This article offers several tips for how you might approach a roomful of experts, including how to invite them into the discussion without allowing them to completely take over, as well as how to pivot on the proposed topic when necessary.

Opinion: Salt Lake City School District’s restroom presentation harms students. As nonbinary and transgender educators, we see the damage.

Utah will become the latest state to implement restrictions for transgender people using school bathrooms and locker rooms in public schools and government-owned buildings when key components of a law passed by the Republican controlled Legislature take effect May 1.

On May 1, HB 257 went into effect in K-12 public schools. But for us, transgender and nonbinary educators in the Salt Lake City School District, the effect has been felt for weeks. We feel compelled to speak as private citizens, not as representatives of the district or the schools we work in, due to the impact on our queer and transgender community in Salt Lake City.

We chose to work in this district specifically because of its commitment to equity. Salt Lake City School District (SLCSD) has a vision statement that reads “Excellence and Equity: every student, every classroom, every day” in addition to being the first “ Dignity District ” nationwide, with the commitment “to learning and work environments where everyone is treated with dignity.” Yet, SLCSD’s directive to have teachers give classroom presentations about HB 257 undermines its own commitment to dignity and equity, resulting in direct harm to transgender students, educators and their allies.

SLCSD created presentations for grades K-5 and 6-12 which stated that “new legislation requires us” to tell students they needed to use the bathroom of the gender they were assigned at birth. In the creation of these presentations , SLCSD failed to recognize the impact this would have on teachers, counselors, administrators and psychologists who were left with no support or resources to honor our own dignity. While the district’s recent newsletter stated that it would “remain committed to making sure our schools remain safe, welcoming places for all our students, families, and staff,” we were not provided with adequate means of support to do so.

Instead, we as transgender and nonbinary educators took on the labor to answer questions from coworkers on how to best support our students. With no district acknowledgment of the pain it caused us, transgender and nonbinary educators were also expected to give this presentation to our students, directly harming them and betraying our community when we know exactly what the implications are — 56% of transgender and nonbinary youth in Utah seriously considered suicide in 2022 . The district did not recognize this potential for harm in any communications to faculty, staff or families.

We took it upon ourselves to create our own presentations filled with local and national resources, support systems and hotlines, crafted for both secondary and elementary communities — the resources to help fellow educators support impacted students and families that our district should have created. We shared these with the educators we could within our reach. Subsequently, we watched as some of our students’ fiercest allies and our schools’ kindest hearts experienced the chilling effect of the presentation: Pride flags, safe school posters and pronoun pins were fearfully stowed away. We continue to question: How does this make our district safe and welcoming?

In secondary schools, regardless of their gender identity, students questioned why this was the action the district decided to take when their friends in other districts were not subject to the same trauma and harm. Several stated they would rather the district make a presentation about vaping, drug use and truancy in the bathrooms instead — and stop targeting their trans and nonbinary peers. At the elementary level, young trans and nonbinary students already struggle to get peers and teachers to acknowledge and understand their identities. Many aren’t even “out,” choosing to be accepted simply for who they are without a label that could subject them to interrogation. Coupling this reality with the introduction of HB 257 means we have students of all ages, K-12, who had their right to use the bathroom become subject to classroom discussion.

We recognize that SLCSD needs to ensure they comply with state law and the specific directives of HB 257. However, the directive to give presentations in every single classroom created widespread harm and put educators in precarious positions to balance their “professionalism” with their humanity. SLCSD did not provide justification for choosing to present the presentations over the methods other districts in our state used to notify students of HB 257.

We call for SLCSD to recognize the impact that it had on transgender, nonbinary and allied educators, students, staff and administrators. The effects of this erasure by the district were unnecessary, undignified and dehumanizing. The presentations did not give us reason to believe our district’s stated values and vision statement.

Additionally, we need actionable, tangible changes to create safe, equitable and dignified environments for everyone who works and learns in SLCSD. We ask the district to contract a professional development session on LGBTQIA+ inclusion, preferably through a local organization. We also ask that SLCSD conduct a thorough audit of their policies in the wake of new federal Title IX guidance which states that sex-separated programs and activities, including bathrooms, cannot exclude a person from a space consistent with their gender identity.

We have seen displays of love and support for transgender and nonbinary students and staff both in and out of our buildings and recognize its positive impact. We hope that SCLSD can join in these displays and that these actions will hopefully ensure that our district’s transgender and nonbinary community never feels this way again.
