How to embed a video in PowerPoint from your PC or Mac

First, of course, you’ll need a video, either one online or from your media library. The next step is to find a way to make it play during your PowerPoint presentation. You could do it manually by bringing up the video from another website or program while you’re speaking, but that process is clunky and you might end up facing technical challenges.

Luckily, there are simpler and easier methods of embedding videos in PowerPoint. You can link to your video file externally or embed it directly in your presentation.

How to embed a video in PowerPoint in Windows

Step 1: select the powerpoint slide.

Launch Microsoft PowerPoint on a Windows computer and open a blank or existing PowerPoint file. 

Then, go to the slide you want to embed a video and select the Insert tab in the toolbar.

Step 2: Click Video > This Device

Select the Video option. Here, you can either embed a video from your computer or from an online source, like a website or YouTube and other supported platforms.

Click This Device from the drop-down menu to embed a video from a folder on your computer.  

PowerPoint supports MP4 files encoded with H.264 video and AAC audio. So, you can upload videos in file formats, such as M4V, MOV, ASF, AVI, MPG, MPEG, or WMV.

If you don't want to play a video full screen, resize it to your preferred dimensions.

For precise height-to-width proportions:

• Select Format (PowerPoint 2013 or newer) or Options (PowerPoint 2010) in the Size group
• Click the Dialog Box Launcher Icon image
• Click Size, then select the Lock aspect ratio checkbox under Scale 
• Enter your preferred height and width under Size and rotate or enter the percentage of size that you want in the Scale height and width boxes

Then, select Video Format to access formatting options like borders and effects or right-click the video for more options. You can also use the Designer tool to choose from professional slide templates. 

Then, click the Playback tab to trim your video, add captions, choose playback options, like In Click Sequence, Automatically, or When Clicked On.

Note: In PowerPoint for Microsoft Office 365 or PowerPoint 2016 version 1709 or later, you can use the In Click Sequence option. This way, your video can play in sequence with other actions you’ve programmed on the slide, like animations or transitions. 

To insert a web video, select Video > Online Videos . 

Note: PowerPoint supports YouTube, SlideShare, Vimeo, Stream, and Flip video providers.

Step 3: Click Insert

If you choose to embed an online video, copy the link to the video you want to embed and paste it in the blank field. A preview of your video will appear in the Insert video pop-up.

Click the Insert button to embed the video in your presentation. 

PowerPoint will download and insert the video on the selected slide. You can drag the edges of the video thumbnail to resize it, then use Video Format options, like shape, border, and effects to enhance the video. 

Select the Playback tab to insert captions or choose how your video plays (automatically or when clicked). 

Note: You can’t change when an online video starts. But if you’re embedding a YouTube video, you can copy the video URL at the current time to link from a specific start time. 

Click the Slide Show tab to preview the video with all the formatting changes you made. Then, save your presentation to your computer or click the Share button to move or copy it to the cloud.

How to embed a video in PowerPoint on a Mac

To embed a video in PowerPoint for Mac, you’ll need to save the video file in the same folder as your presentation.

Launch PowerPoint and open a blank or existing presentation, then select the slide you’d like to add a video to. 

Select Insert .

Step 2: Click Video > From File

Click Video to access video embed options from the drop-down menu:

• Video browser
• Video from file
• Stock videos
• Online film

Select Video from file to insert a video file from your Mac.

In the Choose a Video dialog box, select the video file you want to insert, then click the Insert button to embed the video on the slide.

If you want to put a link to the video on the slide, click Show Options in the lower left corner of the dialog box. 

Then, select the Link to file box, and click Insert .

Select the Video Format tab to add effects and choose whether your video will play automatically or when clicked.

Tip: If you’re using the 2016 version of PowerPoint (or newer), you can play back videos with multiple audio tracks. These versions also support closed captions and subtitles embedded in video files.

Step 1: click “insert video”.

However, YouTube supports some formats that PowerPoint doesn’t, including FLV, 3GPP, WebM, DNxHR, ProRes, HEVC (h265), and CineForm. If your video isn’t playing, check to make sure it’s a supported file format.

Step 2: choose “online film”.

Select Online Film . 

A URL pop-up will appear prompting you to enter the link to the YouTube video.

Go to YouTube and copy the link or embed code of the video you want to embed in your presentation. You can right-click the video and select copy video URL or copy embed code, or click Share and copy the video link or embed code.

If you’re using a Mac computer, you can take a screenshot by pressing and holding SHIFT + COMMAND + 3 keys together (for full screenshot) or SHIFT + COMMAND + 4 keys to screenshot a specific area.

Alternatively, navigate to the slide you want to add your screenshot to, select Insert > Pictures > Picture from File . Then, find the screenshot you took, select Insert to add it to the slide, then crop, resize, and position it to your liking.

The hyperlink will be connected to the image itself, not other elements on the slide or the entire slide.

Why can’t I embed a video in PowerPoint?

How to Send PowerPoint Presentations With an Inserted Video

When creating business presentations in PowerPoint you can insert video on a slide in just a few clicks. But whenever you incorporate a video into a PowerPoint presentation, the media does not become a part of the slideshow; you are simply programming PowerPoint to reference the video from its storage location and play it on a specific slide. So, if you ever plan on sharing a PowerPoint presentation that contains video you need to link the assets and bundle them together into a ZIP archive. Otherwise, if you send a PowerPoint presentation by itself, any video you insert into the slideshow goes off-line and the application cannot reference the media.

Click “Start” and “Computer” and a Windows Explorer window opens. Navigate to a specific folder directory on your computer.

Right-click anywhere on the Windows Explorer window. Select “New” from the fly-out menu and choose “Folder.” A new folder is created. By default, it is named “New Folder.” Rename it by clicking the folder name, entering a new title and pressing the “Enter” key.

Transfer your PowerPoint presentation and video to this folder.

Open the PowerPoint presentation from this folder location. Select the slide where you want to insert the video. Click the “Insert” tab on the application menu and select the “Video” icon.

Choose the “Video from File…” option under the fly-out menu and a file browser window loads. Navigate to the digital video file in the folder location, select the item and click “Open.” The media is now embedded on the slide.

Click the “File” tab and select “Save” to update the PowerPoint presentation.

Right-click on the folder with the PowerPoint presentation and linked digital video file. Select “Send To” from the fly-out menu and choose “Compressed (zipped) Folder.” Windows creates a ZIP archive of the folder.

Send the ZIP archive to your recipient through an email attachment or a file delivery service. When the recipient extracts the contents of the ZIP archive and opens the PowerPoint presentation, the inserted video will be playable on the slide it is embedded on.

Sharing your powerpoint presentation.

Aside from the traditional method of sending a PowerPoint presentation to others as an email attachment, you can also upload and share your presentation from the cloud. All you need to get started is a OneDrive account. Here’s how.

You can save a PowerPoint presentation to the cloud fairly easily. In fact, it takes only a few simple clicks. For this to work, though, you’ll need a OneDrive account. If you use Office 365, then you already have one. If not, all you need to do is create a Microsoft account  and then sign in to OneDrive. This article will assume you already have a OneDrive account.

First, open the PowerPoint presentation that you’d like to share. At the top-right corner of the window, you’ll see a “Share” button. Go ahead and select it.

Once selected, the “Share” window will appear. You have a few different options here. In the “Attach a copy instead” group, you can choose to send your presentation as a PowerPoint or PDF attachment. Selecting either of these options will open your computer’s default mail client.

What we’re interested in, though, is sharing to OneDrive. To do this, select your OneDrive account under “Share.”

If you haven’t already named your presentation, you’ll be prompted to do so. After you give it a name, click  “OK.”

Your presentation will now be uploaded to the cloud and the “Share” pane will appear on the right-hand side. This is where you can invite people to edit (or read) the document. In the address bar, enter the email of the recipient. Alternatively, select the icon to the right of the address bar and select a recipient from your Outlook address book.

After you’ve entered the recipient’s email, you can then assign a permission level. Once you’ve given read/write or read-only permission, you can then add an optional message. When you’re ready, click “Share.”

The recipient will receive an email providing access to the presentation.

Note: If you’re the recipient, be sure to check your spam folder! During our testing, we found the invitation in spam.

An alternative method for inviting people is to get a sharing link. At the bottom of the “Share” pane, select “Get a sharing link.”

Next, choose which type of link you’d like to provide. You can choose between a read/write link or read-only link.

A link will then be generated. Select “Copy” to copy the link to your clipboard.

Anyone you share this link with will then have access to the presentation. This will allow multiple people to collaborate on your presentation in real-time !

PowerPoint: Exporting a Video/Audio Narration as an MP4 File (Windows and MacOS)

Considerations: 

• MP4 files are preferred; however, MOV files are also accepted within My Media. 
• This will process any narrated audio and video added to a presentation, but will not include any embedded media files, such as embedded YouTube videos. 
• For most uses, keep the video quality as a presentation or internet quality. 
• Several transitions play differently in a movie than they do in a presentation. Animation effects don’t play in a movie at all. 
• Save the video in a memorable location, such as a OneDrive folder (recommended) or your desktop. 
• Video files are large, so be sure to erase the video from your saved location on your computer once it is uploaded to My Media. Keep the original PowerPoint for future use. 
• It is essential to have the Office 365 Desktop version of PowerPoint to export as a video. The following instructions should cover PowerPoint for Microsoft and Mac 365, Mac PowerPoint 2021, and Mac PowerPoint 2019.

Process: 

TIP: On some older versions of PowerPoint, select Save As and change the file format to MP4. 

Note: The higher the video quality, the larger the file size. 

• Presentation quality (Full HD 1080p) saves space while maintaining the overall quality of the audio and video. Recommended for sharing a video in class or an online course. 
• Internet quality (HD 720p) is comparable to the quality of videos streamed over the internet. Recommended for sharing a video in an online course. 
• Low quality (Standard 480p) uses the least amount of space, but the quality may be degraded. Recommended for sharing a video in an email. 

Note: PowerPoint does not indicate how long the video will take to export or a notification that it is done.

Save embedded media from a presentation (audio or video)

If there's an audio or video clip in a PowerPoint file that you want to reuse elsewhere, you can do so by saving the clip as a separate media file (.mp4 or .m4a).

Right-click (or Control-click on macOS) the audio icon or video, and click Save Media as .

Tip:  Ensure your disk has enough space to save the media file, otherwise you'll have to free up space and try again.

In the Save Media as dialog box, choose a folder and also enter a name for the media file.

If the Save Media as option doesn't appear on the menu, then you have an older version of PowerPoint that doesn't support this feature. 

Select Save .

Note:  Starting in PowerPoint for Windows version 2211 and PowerPoint for Mac 16.67, if closed captions or subtitles in separate files have been inserted for the audio or video, then those files will also be saved alongside the audio or video file. All the files will be saved into a new folder with the name that you specify.
