The best way to start an Executive Assistant cover letter is by addressing the hiring manager directly, if their name is available. Then, introduce yourself and immediately mention the Executive Assistant position you're applying for. Make sure to highlight your most relevant skills and experiences right at the beginning to grab their attention. For example, "Dear Mr. Smith, I am a professional Executive Assistant with over 10 years of experience in managing complex schedules and administrative tasks. I am excited to bring my expertise to your advertised Executive Assistant position." This approach shows you're professional, direct, and confident in your abilities.

Executive Assistants should end a cover letter by summarizing their interest in the role and the unique skills they bring. It's important to express enthusiasm for the opportunity and to thank the reader for their time. Here's an example: "I am excited about the opportunity to bring my unique blend of skills and experience to your organization and believe I could add significant value to your team. Thank you for considering my application. I look forward to the possibility of discussing this opportunity further." This ending is professional, courteous, and leaves a positive impression. It also opens the door for further communication, which is key in the job application process.

An Executive Assistant's cover letter should ideally be about one page long. This length is sufficient to succinctly present your skills, experiences, and qualifications relevant to the job without overwhelming the reader. Remember, hiring managers often have many applications to go through, so it's important to make your points clearly and concisely. A cover letter is not the place to reiterate your entire resume, but rather to highlight key aspects that make you a strong candidate for the Executive Assistant position. It's also a chance to show your understanding of the company and how you can contribute to it.

Writing a cover letter with no experience as an Executive Assistant can seem daunting, but it's absolutely possible. Here's how you can approach it: 1. Start with a Professional Greeting: Address the hiring manager by name if possible. If not, use a professional greeting such as "Dear Hiring Manager." 2. Opening Paragraph: Begin by stating the position you're applying for. Express your enthusiasm about the opportunity and briefly mention where you found the job posting. 3. Highlight Relevant Skills: Even if you don't have direct experience as an Executive Assistant, you likely have skills that are applicable to the role. These could include organization, time management, communication, problem-solving, or proficiency in certain software. Use specific examples from your past work, academic, or volunteer experiences to illustrate these skills. 4. Show Your Knowledge of the Company: Do some research about the company and express why you're interested in working there. This shows initiative and that you're serious about the role. 5. Explain Why You're a Good Fit: Even without direct experience, you can still be a great fit for the role. Maybe you thrive in fast-paced environments, have a knack for multitasking, or are known for your exceptional organizational skills. Whatever it is, make sure to highlight it. 6. Conclude with a Call to Action: Thank the hiring manager for their time and express your interest in discussing your application further in an interview. 7. Professional Closing: End your cover letter professionally with a closing such as "Sincerely" or "Best regards," followed by your name and contact information. Remember, the goal of the cover letter is to get the hiring manager interested enough to read your resume and call you for an interview. Even without direct experience, if you can show that you have the skills and qualities they're looking for, you'll have a good chance of getting their attention.

All of the content in this guide is based on data from coaching thousands of job seekers (just like you!) who went on to land offers at the world's best companies.

If you want to maximize your chances of landing that Executive Assistant role, I recommend reading this piece from top to bottom. But if you're just looking for something specific, here's what's included in this guide:

  • What To Know About Writing A Job-Winning Executive Assistant Cover Letter
  • The Best Skills To Include On An Executive Assistant Cover Letter

How To Address An Executive Assistant Cover Letter

The 8 Best Executive Assistant Cover Letter Templates

3 tips for writing a job-winning executive assistant cover letter.

Here's the step-by-step breakdown:

Executive Assistant Cover Letter Overview: What To Know To Write A Cover Letter That Wins More Job Offers

What do companies look for when they're hiring an Executive Assistant?

Companies want Executive Assistants who are organized and skilled in multitasking, especially in managing schedules, coordinating meetings, handling correspondence, and running expense reports. Companies also love candidates with excellent written and verbal communication skills, problem-solving abilities, and proficiency with office software.

Your cover letter should show the company that your personality and your experience encompass all of these things.

Additionally, there are a few best practices you want to follow to write a job-winning Executive Assistant cover letter:

  • Properly address your letter: Begin your letter by addressing the hiring manager or team. Don't forget to state the specific Executive Assistant job you are interested in!
  • Express your understanding of the company: Clearly articulate that you are well-familiarized with the company's products and the market, and tie this up with your skills, demonstrating how they align with their needs.
  • Highlight your skills: Showcase your most relevant skills for the role, such as proficiency in management, travel, scheduling, office software, and so on.
  • Tailor your cover letter for the job description: Emphasize your experience to meet the job requirements listed in the description.
  • Be concise and clear: Your cover letter should be short and easy to read. Keep it to one page and focus on the good stuff!
  • End with a call to action: Close with an effective call to action, expressing enthusiasm for the opportunity and inviting further discussion on how you can contribute to the company's success.
  • Proofread: Make sure to thoroughly proofread your cover letter for any grammatical errors or typos. A well-written, error-free letter can make a strong first impression. I recommend using Hemingway App or Grammarly to do this.

Let's dive deeper into each of these, so you have the exact blueprint you need to see success.

The Best Executive Assistant Skills To Include On Your Cover Letter

Keywords are one of the most important factors in your cover letter. They show employers that your skills align with the role, and they also help format your cover letter for Applicant Tracking Systems (ATS).

If you're not familiar with ATS systems, they are pieces of software used by employers to manage job applications. They scan cover letters for keywords and qualifications and make it easier for employers to filter and search for candidates whose qualifications match the role.

If you want to win more interviews and job offers, you need to have a keyword-optimized cover letter. There are two ways to find the right keywords:

1. Leverage The 20 Best Executive Assistant Keywords

The first is to leverage our list of the best keywords and skills for an Executive Assistant cover letter.

These keywords were selected from an analysis of  real Executive Assistant job descriptions sourced from actual job boards. Here they are:

  • Communication
  • Presentations
  • Confidential Information
  • Organization
  • Microsoft Office
  • Correspondence
  • Project Management
  • Time Management
  • Coordination
  • Collaborative

2. Use ResyMatch.io To Find The Best Keywords That Are Specific To Your Cover Letter And Target Role

The second method is the one I recommend because it's personalized to your specific cover letter and target job.

This process lets you find the exact keywords that your cover letter is missing when compared to the individual role you're applying for.

Executive Assistant Hard Skills

Here's how it works:

  • Open a copy of your updated Executive Assistant cover letter
  • Open a copy of your target Executive Assistant job description
  • In the widget below, paste the job description and hit scan!

ResyMatch is going to scan the target job description and show you the exact keywords and skills that are relevant to the role and that you should weave into your cover letter.

If you're ready to check it out, grab your target job description and run your first scan here:

To start, paste your target job description (or multiple job descriptions) into the box below:

Scan to help you identify keywords and skills within your target job description.

If you're more of a visual learner, here's a video walking through this whole process so you can follow along:

Personalization is what makes a cover letter stand out. That starts from the very first sentence where you greet the person reading your cover letter! There are two ways to do this well:

1. Use The Hiring Manager's Name

The first, and best, is by including the hiring manager's name. Let's say that you discovered the hiring manager's name from a post on LinkedIn or via an informational interview.

This is the jackpot! All you need to do is use their name in the introduction, like this:

Example of Starting A Cover Letter With The Hiring Manager's Name

2. Use This Formula: To The [Department] Team at [Company]

If you don't have the hiring manager's name, no problem! You can address your cover letter to the team that you're applying to.

For example, if you're applying for a Product Marketing Manager role at Discovery Education, you might start your cover letter like this:

Example of Starting A Cover Letter With The Team & Company

This shows the reader that this letter has been written specifically for them and the content inside of it will support that.

It's much more relevant and personal than  “To Whom It May Concern!”

3 Executive Assistant Letter Examples For 2024

Now let's take a look at all of these best practices in action. Here are three cover letter examples for different situations from people with different backgrounds who are all applying for Executive Assistant roles:

Executive Assistant Cover Letter Example #1: A Traditional Background

Our first example is a cover letter written by a candidate with traditional experience. Here is what an example of their cover letter might look like:

Executive Assistant Cover Letter Example #1 - Traditional

Executive Assistant Cover Letter Example #2: A Non-Traditional Background

Our second cover letter example comes from a candidate looking to transition from a background in caregiving to an Executive Assistant role. This cover letter demonstrates how the author identifies and communicates their transferable skills:

Executive Assistant Cover Letter Example #3: Executive Assistant With Volunteer Experience

Our third example highlights a candidate who's only done volunteer work. Here is what their cover letter might look like:

At this point, you know all of the basics you'll need to write an Executive Assistant cover letter that wins you more interviews and offers. The only thing left is to take all of that information and apply it to a template that's going to help you get results.

1. Use CoverBuild.io To Write Your Cover Letter In <2 Minutes

All of these tips and best practices work, but you still have to implement them. Normally, that'd mean you sitting down and spending hours brainstorming ideas, typing, deleting, and typing again, and then feeling absolutely drained.

Now there's a way to work around all of that so you save your best energy for the writing and edits that matter most. Here's how it works:

  • Head to CoverBuild.io
  • Select the “2 Minutes” option to have AI write your cover letter

To make it even easier, you can select a cover letter template from the widget below to get started:

If you'd like to see the process in action, here's a video walking through all of the steps above:

Note:  I do not recommend or advise that you simply copy and paste any AI-generated content and submit your application. You should always review, revise, and personalize the content yourself before applying.

2. Include Measurable Metrics And Outcomes

Too many job seekers only focus on the actions that they took and not the outcomes that resulted from those actions. As a hiring manager, it's impossible to differentiate between a dozen candidates who were all “Responsible for scheduling meetings”

If you want to win, your cover letter should speak to the specific outcomes that you drove in previous roles. That could be:

  • The scheduling conflicts you helped reduce
  • The budget you helped manage
  • The increase in office efficiency you helped achieve

These outcomes will show hiring teams what you're capable of and make your value crystal clear!

3. Match Your Cover Letter And Resume Design

Quality Impacts Perceived Value - Car Example

They're the exact same car, down to the year, make, and model. The only difference is the way the product was presented. Like I said, quality impacts perceived value.

One of the best ways to boost the quality of your cover letter is to make it look clean, professional, and have it match your resume. That's why the resume templates in our resume builder tool match the cover letter templates in our cover letter builder:

Matching Cover Letter And Resume

If you use both tools to create your cover letter and your resume, your entire application is going to be top notch.

Dear Mr. Perez:

I am thrilled to apply for the executive assistant position at Qualcomm, a company whose dedication to fostering connections across the globe resonates with my aspiration as an executive assistant to facilitate seamless communication and collaboration within an organization.

In my previous role as an administrative assistant at Intuit, I was instrumental in coordinating and executing over 30 corporate events, including seminars, conferences, and team-building retreats. My efficient use of Microsoft Office tools contributed to a 24% increase in event attendance and a 96% satisfaction rate among participants.

I also developed a strong familiarity with web conferencing tools like GoToMeeting, which proved invaluable during the shift to remote work. I streamlined virtual meetings for the senior management, improving scheduling efficiency by 42%.

Likewise, my ability to blend administrative competence with exceptional communication and organizational skills enables me to significantly impact corporate collaboration and efficiency.

I’m enthusiastic about the potential to be a part of Qualcomm’s respected team and to contribute to its continued success. I would welcome the chance to discuss how my skills and experiences align with your goals.

December 12, 2023

Amelia Martin MGM Resorts International 123 Fictional Lane Las Vegas, NV 89101

Dear Ms. Martin:

Thriving at the heart of intricate data-driven challenges and producing actionable strategies make me uniquely positioned to drive MGM Resorts International’s operational efficiency. With four years in dynamic administrative roles under my belt, the nuances of handling data and information systems and fostering effective team collaboration are second nature to me.

In my most recent tenure at Zappos, I excelled in database management, improving the processing speed of our data systems by 33%, hence increasing productivity. Coupled with my focus on document management systems, I improved workflow by converting a traditional paperwork system to a digital one. In collaboration with our in-house IT team, I strengthened security and data protection protocols, fostering an 8% yearly reduction in security incidents.

Earlier in my career at Stations Casinos as a database coordinator, I played a significant role in integrating Salesforce as our primary CRM tool. How to Format an Executive Assistant Cover Letter

Job seeker stands with hands in air, questioning how to fill out job materials

When sending emails to clients, you understand the importance of making each one sound specific and genuine by connecting to their needs. You should use the same mindset when writing your cover letter .

Every company and executive has slightly different needs, so you should tailor your cover letter to each job accordingly. For instance, one executive may do a lot of traveling, so they’ll need help with itineraries, while another executive will want you to focus on answering calls and emails.

cover letter executive assistant

Executive assistant cover letter greeting and introduction

When contacting clients, you know it’s a good idea to research beforehand so that you can address them by name and relate to their needs. The same applies here; find the company’s mission statement and the name of the hiring manager. It’s a great way to lead off the greeting and intro of your cover letter. If all else fails and you can’t find their name, lead with “Dear [company name] hiring staff.”

The opening paragraph should also be relevant to each company. You could reference a couple of top skills they’re seeking, like Google Calendar or Trello, and try to connect to the company’s mission.

What you don’t want to do is come off too casual, use slang terms, or not relate to the needs of the executive position at all, like the opener below.

Yikes, not a great start!

I saw your job posting on Indeed and thought I’d apply for the position. I haven’t worked as an executive assistant before, but I have some relevant experience, so I’m sure I’ll be a good fit for the role.

A better start would be what the opening below does. It immediately shows a connection to the company by explaining how they’ve been a guest on the cruise lines and their admiration for Royal Caribbean’s innovations in the travel industry. It truly feels like this applicant is passionate about the executive assistant position .

Highly-relevant opener for the win!

Dear Mr. Al-Malik,

As an experienced executive assistant with a commendable track record spanning seven years, I’m inspired by the opportunity to contribute my skills and expertise to the Royal Caribbean Group. Besides being a returning guest on your cruise lines for the last eight years, I have always admired your company’s exceptional innovation in the travel industry, and it would be my pleasure to leverage my proficiencies in serving as your executive assistant to the CEO.

cover letter executive assistant

Executive assistant cover letter body

If you give an executive a brief before a meeting, you’d want to provide concise data about what they should know.

You can do the same in your cover letter by briefly reviewing some of your primary achievements related to how you’ll succeed in the position. For instance, using TripIt Itinerary Planning to schedule travel plans 56% more efficiently will stand out for an executive that travels a lot.

Everything should be tailored and relate to the company’s needs to continue showing your connection and passion for the job, just like the example below that cites the use of Google Workspace and other software related to the position’s requirements.

A relevant body paragraph that makes an impact

In my tenure as an executive assistant at Ryder System, Inc., I managed the CEO’s calendar via Microsoft Outlook, adeptly coordinating over 500 appointments annually to ensure a smooth and efficient schedule. My proficiency in Microsoft Office Suite and Google Workspace was instrumental in enhancing communication and delivering time-sensitive projects.

cover letter executive assistant

Executive assistant cover letter closing

If you outlined an executive’s daily schedule, you would likely want to summarize the main points to ensure they have all the information they need.

The closing paragraph of your cover letter acts in a similar way to summarize the primary skills you presented, like managing Outlook Calendars and phone etiquette.

It’s also a good idea to say thank you and use a light call to action, just like you would do with a customer you want to hear back from when you email them.

What you don’t want to do is be overly informal or disrespectful.

This won’t land an interview!

Can’t wait to hear from you. I think I’m a good match for the position.

If you want to hire me, let me know ASAP.

Instead, show your passion for the role and how your skills will help the company achieve its goals, as in the example below.

Demonstrate your enthusiasm and reiterate your abilities for a memorable conclusion!

By leveraging my administrative skills, I can maximize executive productivity and efficiency and support Dell Technologies’ vision. Thank you for considering my application, and I’m eager to discuss this opportunity in more detail.

Even if you haven’t worked at the executive level, you can still use previous administrative assisting experiences or careers with translatable skills in your cover letter. For instance, if the position requires answering client calls, you can explain how your customer service skills from a previous admin job will help you be successful.

Usually, executive positions will look for applicants to be more formal. However, you should still review the job description and try to match its tone. It’s the same way you’d try to match a client’s tone when responding to their email to better relate to their needs.

You should limit your cover letter to one page. Executive roles involve working in fast-paced environments. Keep your cover letter concise and relevant to the requirements of the position to avoid losing a hiring manager’s attention.

5 Steps for the Perfect Executive Assistant Cover Letter

Alright, you've seen what a top-notch cover letter looks like, and you're geared up to craft your own masterpiece .

It's simpler than it seems—just follow these steps, and you’ll be good to go!

#1. Put Contact Information in the Header

Kick off your executive assistant cover letter with your personal details, placing them front and center in the header, just like your resume's format .

Here's a rundown of the essentials:

  • First and Last Name. Your full name should proudly sit at the top.
  • Professional Title. After your name, mention your professional title. Make sure it matches the one in the job ad.
  • Email Address. Aim for an email that’s clean and professional, ideally blending your first and last names. (e.g.: [email protected] )
  • Phone Number. Make sure that your phone number is correct, without any typos. If you’re aiming for a role overseas, don't forget the relevant country dialing code.
  • Location. City and are usually enough; there’s no need to mention your exact address. But if you’re looking to relocate, mention that too.
  • Relevant links (optional). Any link that highlights your skills as a candidate has a place on your cover letter, such as your LinkedIn profile.

With your details in place, it's time to move on to the hiring manager's contact information .

  • Company Name. Write down the name of the organization.
  • Hiring Manager’s Name. Add the hiring manager’s name. Your best shot at finding this is by looking at the job ad, the company’s LinkedIn profile, or their official website.
  • Hiring Manager’s Title. Once you’ve nailed down who’s going to read your cover letter, use the appropriate title. If they're, say, the Chief Administrative Officer, you should refer to them as such instead of the generic "Hiring Manager."
  • Location. The city and state or country the company is based in are important, especially for global organizations. If you want to narrow it down to a specific office, you can add the street name and number, too.
  • Email address (optional). You can add the hiring manager’s email if you find it.
  • Date of Writing (optional). Top off with the date you wrote your cover letter on for a neat, polished touch.

#2. Address the Hiring Manager

After adding all the necessary contact details, it’s time to address your cover letter to the person who's actually going to read it.

Avoid that age-old "To Whom It May Concern." It's out of date and, honestly, a little boring.

The greeting you choose for your cover letter can make a real difference. It sets a positive tone right from the start and shows the hiring manager you have an eye for detail.

Your best bet is to do a bit of homework first. Look at the job ad, the company's website, or their LinkedIn profile to find out who the hiring manager for the position is. They’re likely going to be the head of the department or the company’s CEO.

Once you've got their name, you need a formal touch. Using "Ms." or "Mr." followed by their surname is the most solid choice. But if you're in the dark about their gender or marital status, their full name will work just fine. Like so:

  • Dear Mr. Thompson
  • Dear Alex Thompson

Drawing a blank on the hiring manager or head of the company? No worries. You can address your cover letter to the broader team or even the whole company:

  • Dear Company X
  • Dear Head of Department X
  • Dear Human Resources Team

#3. Write an Eye-Catching Opening Statement

Hiring managers often take just a brief moment—about seven seconds—to glance at a job application before deciding if it’s worth reading more.

That's why grabbing their attention right off the bat is essential for a top-notch executive assistant cover letter.

Start your cover letter by introducing yourself and sharing why the executive assistant role speaks to you. Expressing your genuine interest in business excellence or the specific company can genuinely resonate with managers, making them want to know more about you.

Diving a bit into the company's background can set you apart. When you demonstrate a good understanding of the organization, it shows how well you'd fit in with their culture. This approach gives a clear sign that you’re a focused candidate and not just someone making a shot in the dark.

If you've got a rich career history, consider opening your cover letter with a significant achievement or a quality that makes you an ideal fit for the executive assistant position.

But be brief in this section. After all, this is only the first paragraph of your cover letter. You want to spark the hiring manager’s interest and make them read more, so don’t give everything away.

#4. Use the Cover Letter Body for the Details

The main body of your executive assistant cover letter is your opportunity to delve into what sets you apart as the perfect candidate for the role.

But don’t just regurgitate your resume . This section is your chance to really highlight your specialized skills and strengths and show the hiring manager why they set you apart. Bring attention to any standout accomplishments in previous roles, and use the job ad as a reference for what their requirements are.

Tailoring your executive assistant cover letter with the keywords from the job ad is a major plus. For example, if the role requires proficiency in certain software or scheduling expertise, those skills and experiences are what you should be focusing on.

The more you know about the company, the better. Anything you mention about their industry or leadership can give you an edge over other candidates. If you’ve read up on the executive’s work or the company's latest initiatives, mention it. It sends a message that you're aligned with their mission and that you’re proactive and prepared to integrate into their operations.

And don’t forget to let your genuine enthusiasm for the role shine through. Emphasize how eager you are to bring your skills to the table and make a real impact on the executive's day-to-day functions.

#5. Wrap It Up and Sign It

Putting the final touches on your cover letter is the cherry on top.

You want the end of your cover letter to leave the hiring manager feeling confident about what you can bring to the table and eager to talk to you. This isn't the time to be vague or generic! You want to drive home the point that you’re perfect for the executive assistant role.

Recap the attributes and skills that you believe make you the ideal candidate for the position. Your conclusion can mention anything essential, such as your ability to work under pressure or your knack for maintaining confidentiality.

Then it’s time to invite the hiring manager to the next step. Prompt them to discuss your application further with a call to action. This way, you’re doing more than expressing interest—you’re showing initiative, a vital trait for an executive assistant.

Finally, sign your cover letter. Choose an appropriate closing line and follow it with your full name. Here’s an example for clarity:

I'm eager to discuss how my background as an executive assistant can align with your team's needs. Please feel free to reach out to me at the given email or phone number.

Warm regards,

And if "Warm regards" doesn't resonate with you, here are some alternative closings:

  • With appreciation,
  • Best regards,
  • Thank you for considering my application.

3 Essential Executive Assistant Cover Letter Tips

You've got the cover letter basics in the bag! Now, let's elevate your game with some specialized cover letter tips for executive assistants.

#1. Match Your Resume

When you’re after an executive assistant role, presenting yourself right is crucial.

Your best bet is to have a resume and cover letter that match; otherwise, you can come across as sloppy.

Your information should fit snuggly onto the page, and the font styles and sizes should be consistent from start to finish. Make sure to set your page margins and mind the line spacing so your cover letter doesn’t spill over to page two .

Or Use A Cover Letter Template Instead

Short on time?

Try our resume builder and match it with a cover letter template .

This way, you can align your application perfectly and save yourself a lot of stress. Each of our templates is crafted in collaboration with global hiring pros, so they’re on point and industry-ready.

#2. Mention Skills and Keywords

Your executive assistant cover letter isn’t the place to be generic.

This is where mentioning relevant skills and keywords from the job ad comes in.

Hiring managers already know what they’re looking for. They wrote the job description, after all. So when you narrow down your cover letter to reflect the exact skills and experiences they want, you make their job easier.

This also helps you stand out from the candidates who haven’t zeroed in on the job requirements. But remember—you shouldn’t just list your skills. Use your cover letter to really demonstrate you have the expertise the company needs from an executive assistant.

If a skill or experience from the job ad matches you perfectly, use it to craft a narrative. This shows the hiring manager you aren’t just randomly listing words you saw; instead, you mean business.

#3. Be Formal

While being yourself is at the core of a good cover letter, there’s a fine line you have to navigate when you’re applying for an executive assistant role.

Formality is non-negotiable in your cover letter. You need to maintain a level of politeness and professionalism that leaves no room for jargon. If your cover letter’s tone is too casual, you won’t come across as a serious candidate, and your application will be rejected.

That being said, you don’t have to sound robotic. Just show respect toward your potential employer. This way, you can communicate that you understand the importance of the role and that you’re ready to work in a professional environment.

Key Takeaways

That’s all there is to writing an executive assistant cover letter!

After reading our guide, we trust you feel equipped to secure the exact role you’re aiming for.

But before you head off, let’s recap our main points:

  • Start your executive assistant cover letter with a compelling introduction to capture the hiring manager’s attention. Include a brief mention of who you are, the purpose of your letter, and an important accomplishment or experience that shows how suitable you are for the job.
  • In the body of your cover letter, mention skills and other keywords present throughout the job ad. Instead of throwing them in randomly, use these skills and experiences to illustrate how you align with the role and why you're confident you’re a great candidate.
  • Maintaining a polished tone throughout your executive assistant cover letter conveys professionalism. Treating the application with the seriousness it deserves shows you’re truly interested in the role and willing to put in the work to get it.
  • The end of your cover letter is just as important as its beginning. Remember to finish it with a fitting closing line, followed by your full name.

McKesson Corporation

2 National Data Plaza NE

Atlanta, GA 30329

Dear Esther,

As someone who recognizes McKesson Corporation as the premier healthcare services and information technology company in the US, I was thrilled to see an opening for an Executive Assistant position with your company. With my 5+ years of experience as an executive assistant, I am confident in my ability to manage complex travel schedules while maintaining a high level of confidentiality for senior level executives for McKesson Corporation.

In the job listing, you state that you’re looking for an executive assistant to manage, adjust and prioritize complex schedules for senior level executives across the company. In my current position with Children's HealthCare of Atlanta, I manage all aspects of scheduling for 5 top level executives and provide assistance to them regarding various administrative duties, including the creation and design of high-level PowerPoint presentations. I also analyzed the company’s office supply expenditures and negotiated new terms to save a minimum of $10 per ream of copy paper. My changes helped bring administrative costs down 28% through a five-year period. I’m sure this experience will result in similar results for McKesson Corporation.

I am impressed with how McKesson partners with health care actors across the spectrum of care to build healthier organizations that deliver better care to patients in every setting. Being part of your team and continuing to help with this mission would be a dream opportunity for my career development.

Can we schedule a meeting or a call to discuss solutions for reducing administrative costs at McKesson while maintaining the schedules of your top executives?

If you read Laura’s cover letter, wouldn’t you take her up on her offer to discuss these matters over an interview? I think so! But—maybe this example disheartens you. You don’t have much experience and your executive assistant cover letter won’t stand out.

You might not be an experienced candidate for the role, but your executive assistant cover letter can still shine over other candidates. You need the hiring manager to think: “It seems like she really wants to make an impact and grow with the company. We need people like this. Let’s give the interview a go!”

So, let’s see another great executive assistant cover letter that caters to those who don’t have much experience. Robert is a great example. He’s applying for an entry-level executive assistant job that requires strong organizational skills .

But Robert didn’t work with high level executives before. Want to know why he’ll pass on to the next stage of the hiring process? It’s simple. He highlights how his skills translate to being a star employee in his executive assistant cover letter.

Joel Ozment

Head of Human Resources

621 SW Alder St.

Portland, OR 97205

Dear Mr. Ozment:

As a recent college graduate with strong analytical skills, attention to detail and organizational skills, I would like to apply for the position of Executive Assistant at Korn Ferry. I have known of Korn Ferry’s outstanding reputation as the leading global organizational consulting firm and am committed to providing excellent high-level support to designated senior leaders.

In the job ad you posted on Indeed, you say you’re searching for candidates who demonstrate a track record of sound judgment and professionalism. During my studies, as a volunteer, I managed and coordinated the Moot Court at Georgetown University and was responsible for planning the travel schedules, both domestic and international, for all participants. I served as the central point of contact for all administrative inquiries for over 200 participants. It was a quick-paced atmosphere where I needed to adjust to many different variables for planning and scheduling while ensuring a high level of confidentiality for all members regarding their bank details. This experience prepared me for working in a role requiring excellent communication and organization skills, along with a high level of sound judgment and professionalism.

In addition, I helped prepare and submit bi-weekly accurate expense reports for leaders, showing utilization time allocated to each engagement. I also created many PowerPoint presentations and other business documents in preparation for all events during this three month period. Although there were many unknowns to take into account when it came to scheduling, I succeeded and was given the role throughout my four years at Georgetown. I am positive this experience has prepared me to succeed in an executive assistant role at Korn Ferry.

I would greatly appreciate the opportunity to further discuss your team’s objectives and demonstrate how my problem-solving, communication, and organizational skills can translate into excellence for your company.

Yours sincerely,

Dear Mr/Ms. [Hiring Manager Name]

I’m writing in response to the Executive Assistant position advertised by [Company] on [Job website]. As a professional of over 6 years, with experience focusing on expert administrative support to senior executives, I feel I would be a strong fit for the requirements of this role.

I am familiar and adept at the planning and scheduling of board meetings, face-to-face meetings, and providing accurate and detailed and confidential correspondences and answering more than 5 calls an hour as noted in the job description. I also bring an organized and flexible approach that allows me to perform well under pressure and come up with workable solutions in a crisis.

Additionally, I also bring the hands-on experience of training new hires such as Administrative Assistants and providing support to other members of the administrative team. In my current position at [Current Company], I have successfully onboarded over 10 members of staff.

In summary, I think both I and [Executive] would be able to forge a successful working relationship. I hope that we can discuss the position further in a face-to-face meeting in the near future.

Please feel free to contact me by telephone any evening from 5 pm Monday-to-Friday and by email at all times.

How to Write a Cover Letter for Executive Assistant with Experience

When you turn in your resume, you are giving the hiring manager a summary of your experience and skills.

That means your cover letter must  bring something different to the table .

Not only should you mention your qualifications and experience, but you have to show that you are motivated to work in that position.

That’s why the correct  cover letter structure  will be your best friend.

By  formatting your letter the ideal way , you’ll be able to tell the job recruiter that you are qualified, motivated and the best candidate to fill the position.

Let’s take a look at how you should begin your letter.

I am submitting this application for the executive assistant vacancy at X inc. I have 3 years of experience as an executive assistant. I’m skilled in managing schedules and prioritizing emails. I am also a team player.

Thanks to my ability to prioritize and manage schedules for three executives at X Company saved $20,000 in salaries. I was able to accomplish this thanks to my interpersonal and time-management skills.

This works much better.

By beginning your cover letter like this, you demonstrate an accomplishment,  relevant to the job opening .

The rest of your letter should mention relevant experience and information as well.

In your body, you should  mention your motivation  to fill the vacancy and work for the company.

Conclude your cover letter by explaining how your  skills match the company’s needs .

Remember to keep your letter personal.

How to Write a Cover Letter for Executive Assistant with No Experience

Nothing stops someone from applying for a job than seeing the words “experience required” or “minimum X experience required.”

You  may not have work experience yet , but that does not mean you are unqualified.

All you have to do is write a cover letter demonstrating  how your skills match the vacancy .

By doing this, a hiring manager can still conclude that you are the best candidate.

So how can it be done?

It’s essential to know  what the company requires .

There may be other applicants with more experience, but will they all write a cover letter demonstrating they know what the company and position are all about?

That won’t necessarily be the case.

The secret is to study the job posting, look over what they want, what they expect from you,  what the company is about , and anything else that is listed.

Touch on who you are as a person, your education, and any  internship or volunteer experience  you have.

Also, be sure to mention the following in your cover letter:

  • How you meet company needs
  • Relevant accolades
  • Your relevant skills

By adding those 3 points, along with demonstrating a lot of motivation to fill the position and learn, a hiring manager will feel  they should call you in for an interview .

You may not be as experienced as other applicants, but you may use your cover letter to demonstrate how you will be a valuable employee and will  outwork the other applicants .

When writing the motivation statement, ensure you talk about your desire to learn and adapt to any situation you may encounter at the workplace.

How to Write a Cover Letter for Executive Assistant with an Employment Gap

This might be the first job you are applying for after a long time.

You might think your job application will automatically end up in the rejected pile.

However, if you write your cover letter the correct way, that won’t happen.

If you have a long gap in your employment history, it’s essential to do one thing: be straightforward.

You should follow these rules if you have been out of work for a while.

  • Be Sincere:  Don’t think a hiring manager won’t find out about your time off. Briefly explain why you weren’t or couldn’t be employed, so they don’t get the wrong idea.
  • Mention time off when appropriate:  If it’s a short amount of time, or it was a long time ago, it would be best to not even discuss it.

Prepare your interview answers beforehand. It is likely the hiring manager will ask you about your work gap when you meet in person.

To avoid problems related to your employment gap, use the ideal cover letter and resume formats.

That also lowers the chances of a hiring manager being worried about any long periods without employment.

Executive Assistant Cover Letter Tips and Advice

An Executive Assistant has to take on a  lot of different tasks  in their role. They will be in charge of a multitude of administrative work such as taking calls, writing formal letters, organizing schedules, and providing clerical support.

As you’ll probably already know, Executive Assistants are also the masters of finding order in chaos. They will be given far-reaching  responsibilities over scheduling  for executives’ daily schedules and clerical necessities. This needs to come across in your letter.

You’ll need to show that you know how to make  quick adjustments and decisions  should things change suddenly. Demonstrating that you are flexible, organized, and adept at resolving issues will help instill that confidence in the person reading your letter too.

Also, Confidentiality is highly important in the work of an Executive Assistant. You will be trusted with a lot of  personal and professional information  that you will be expected to not disclose. Therefore don’t forget to demonstrate that you can be trusted with this responsibility.

Telephone skills play a big part in the life of an Executive Assistant so be sure to hype up your ability to successfully answer calls, politely respond to requests and keep records of messages.

Remember, your  written skills need to shine through  on the cover letter and resume.  Executive Assistants  will be expected to draft clear and communicative letters and emails for their employers. This will be partially assessed during your application so make sure your spelling and grammar are bulletproof.

Executive Assistants are also often placed in charge of  Administrative Assistants , given their senior authority and extra years of experience. Therefore it’s wise to  indicate what training and support you provided  to other admin and clerical assistants in the companies you’ve previously worked in.

As you can see you have a lot of detail to go over in your cover letter. In this sense, it’s best to focus on the highlights, or the  skills most desired by the job description.

What about your executive assistant cover letter format: organizing and structuring your information

Here is one secret you should know about your executive assistant cover letter assessment. The Applicant Tracker System (or ATS) won't analyze your cover letter.

You should thus focus on making an excellent impression on recruiters by writing consistent:

  • Introduction
  • Body paragraphs (and explanation)
  • Promise or Call to action
  • Signature (that's optional)

Now, let's talk about the design of your executive assistant cover letter.

Ensure all of your paragraphs are single-spaced and have a one-inch margins on all sides (like in our cover letter templates ).

Also, our cover letter builder automatically takes care of the format and comes along with some of the most popular (and modern) fonts like Volkhov, Chivo, and Bitter.

Speaking of fonts, professionals advise you to keep your executive assistant cover letter and resume in the same typography and avoid the over-used Arial or Times New Roman.

When wondering whether you should submit your executive assistant cover letter in Doc or PDF, select the second, as PDF keeps all of your information and design consistent.

The executive assistant cover letter salutation: how to address hiring managers

After covering the format of your executive assistant cover letter, let's look at the salutation.

Back in the day, the cordial "To whom it may concern" or "Dear Sir/Madam", might have worked out fine.

But, nowadays, your cover letter should approach hiring managers on a more personal basis.

So, what to do about your cover letter salutation ?

If you've messaged the recruiters and are on a first name basis or a more formal one, use the hiring manager's name in the greeting (e.g. "Dear Sophie," "Dear Ms. Givens", or "Dear Mr. Everett,").

Always aim to make the effort to find out the name of the hiring manager, who'd be assessing your application. Search on LinkedIn, double-check the advert on the corporate website, or message the brand on social media to find out more about the role.

If you can't find the hiring manager's name (and still want to sound professional), use "Dear HR Team,", "Dear Hiring Manager,", or the likes.

List of salutations you can use

  • Dear Hiring Manager,
  • Dear [Company Name] Team,
  • Dear [Mr./Ms./Dr.] [Last Name],
  • Dear [Job Title] Hiring Team,
  • Dear [Department Name] Team,

First introductions in your executive assistant cover letter

Within your executive assistant cover letter introduction , genuinely state what you like about the organization.

Research the latest company projects, honorary awards, company updates, etc.

Write up to two sentences to let recruiters know what impresses you about the company,

This would help you to set a good tone for the rest of the communication.

What comes next: your executive assistant cover letter middle paragraphs

In the next three to six paragraphs (or the body of your executive assistant cover letter) you have to prove your unique value .

Most candidates tend to mess up at this stage. They tend to just copy-paste information from their resume.

That's one big no-no.

Remember that when writing your executive assistant cover letter, it has to be personalized. And, your ultimate aim is to catch the recruiter's eye.

So, look back on key job requirements and write down a list that includes the ones you cover.

Next, select just one key achievement from your professional (or personal) history that meets those advert keywords.

Narrate a story around how you've grown your skill set and knowledge. Also, aim to show the unique understanding or soft skills you bring about, thanks to your past success.

Finishing off your executive assistant cover letter with what matters most

So far, you've done a fantastic job in tailoring your executive assistant cover letter for the role and recruiter.

Your final opportunity to make a good impression is your closing paragraph.

And, no, a "Sincerely yours" just won't do, as it sounds too vague and impersonal.

End your executive assistant cover letter with the future in mind.

So, if you get this opportunity, what do you plan to achieve? Be as specific, as possible, of what value you'd bring to the organization.

You could also thank recruiters for their interest in your profile and prompt for follow-up actions (and organizing your first interview).

Lacking experience: here's how to write your executive assistant cover letter

As a candidate with no experience, it's important to be honest from the get-go of your application .

Use your executive assistant cover letter to sell your unique talents. Choose an accomplishment from your academic background or your volunteer work to show the skills that are relevant to the role.

Focus on your career objectives and how you see the job to align with them. Be specific and, at the same time, realistic about where you picture yourself in five years.

The rest of this guide gives more specific guidance on how to create your own cover letter in this format, and even includes some templates you can copy and paste.

How to write a Executive Assistant cover letter

Here’s a simple process to write your own interview-winning cover letter.

How to write a cover letter

Write your cover letter in the body of an email/message

You should write your cover letter in the body of the email (or messaging system if sending via a job board) and never attach it as a document.

The reason for this?

You want your cover letter to start connecting with the recruiter from the moment they open your application.

If they have to open a document to read it, it will slow things down and they may not even bother to open it.

Write cover letter in body of email

Start with a friendly greeting

Cover letter address

To kick your cover letter off, start with a friendly greeting to build rapport with the recruiter instantly.

Your greeting should be personable but professional. Not too casual, but not too formal either

Go with something like…

  • Hi [insert recruiter name]
  • Hi [insert department/team name]

Avoid old-fashioned greetings like “Dear sir/madam ” unless applying to very formal companies.

How to find the contact’s name?

Addressing the recruitment contact by name is an excellent way to start building a strong relationship. If it is not listed in the job advert, try these methods to find it.

  • Check out the company website and look at their  About page. If you see a hiring manager, HR person or internal recruiter, use their name. You could also try to figure out who would be your manager in the role and use their name.
  • Head to LinkedIn , search for the company and scan through the list of employees. Most professionals are on LinkedIn these days, so this is a good bet.

Identify the role you are applying for

After you have greeted the recruiter, it’s important to state the job you are applying to.

Recruiters are often managing multiple vacancies, so they need to know exactly which job you are referring to.

Be as specific as possible and use a reference number if you can find one.

Here are some examples you can use;

  • I am interested in applying for the role of admin assistant with your organisation.
  • I would like to apply for the role of Sales assistant (Ref: 4057393)
  • I would like to express my interest in the customer service vacancy within your retail department
  • I saw your advertisement for a trainee project manager on Reed and would like to apply for the role.

Highlight your suitability

The sole objective of your cover letter is to motivate recruiters into to opening your CV. And you achieve this by quickly explaining your suitability to the roles you are applying for.

Take a look at the job descriptions you are applying to, and make note of the most important skills and qualifications being asked for.

Then, when crafting your cover letter, make your suitability the central focus.

Explain why you are the best qualified candidate, and why you are so well suited to carry out the job.

This will give recruiters all the encouragement they need to open your CV and consider you for the job.

Cover letter tips

Keep it short and sharp

When sending a job application to a recruiter or hiring manager, it is important to remember that they will normally be very busy and pushed for time.

Therefore, you need to get you message across to them quickly (in a matter of seconds ideally). So, keep your cover letter short and to-the-point. A long waffling cover letter will overwhelm recruiters when they are running through hundreds of emails in there inbox, but a concise one will get their attention.

So, keep your cover letter to just a few sentences long, and save the extensive detail for your CV.

Sign off professionally

To round of your cover letter, add a professional signature to the bottom, giving recruiters your vital contact information.

This not only gives various means of contacting you, it also looks really professional and shows that you know how to communicate in the workplace.

Include the following points;

  • A friendly sign off – e.g. “Warm regards”
  • Your full name
  • Phone number (one you can answer quickly)
  • Email address
  • Profession title
  • Professional social network – e.g. LinkedIn

Here is an example signature;

Warm regards,

Gerald Baker Senior Accountant 07887500404 [email protected] LinkedIn

Quick tip : To save yourself from having to write your signature every time you send a job application email, you can save it within your email drafts, or on a separate document that you could copy in.

What to include in your Executive Assistant cover letter

So, what type of information should you write about in your Executive Assistant cover letter?

The specifics will obviously depend on your profession and the jobs you are applying to, but these are the key areas you should be covering.

  • Your industry experience – Tell recruiters the types of companies you have been working for and the roles you have held in the past.
