Business Presentation Ultimate Guide plus examples

A business presentation is a purpose-led summary of key information about your company’s plans, products, or practices, designed for either internal or external audiences. Project proposals, HR policy presentations, investors briefings are among the few common types of presentations.

Compelling business presentations are key to communicating important ideas, persuading others, and introducing new offerings to the world. Hence, why business presentation design is one of the most universal skills for any professional.

This guide teaches you how to design and deliver excellent business presentations. Plus, breaks down some best practices from business presentation examples by popular companies like Google, Pinterest, and Amazon among others!

3 General Types of Business Presentations

A business presentation can be given for a number of reasons. Respectively, they differ a lot in terms of content and purpose.

But overall, all types of business presentations can be classified as:

  • Informative
  • Persuasive
  • Supporting

Informative Business Presentation

As the name suggests, the purpose of an informative presentation is to discern the knowledge you have — explain what you know. It’s the most common type of business presentation out there. So you have probably prepared such at least several times.

Examples of informative presentations:

  • Team briefings presentation
  • Annual stakeholder report
  • Quarterly business reviews
  • Business portfolio presentation
  • Business plan presentation
  • Project presentation

Helpful templates from SlideModel:

  • Business plan PowerPoint template
  • Business review PowerPoint template
  • Project proposal PowerPoint template
  • Corporate annual report template

Persuasive Business Presentation

The goal of this type of presentation is to persuade your audience of your point of view — convince them of what you believe is right. Developing business presentations of this caliber requires a bit more copywriting mastery, as well as expertise in public speaking . Unlike an informative business presentation, your goal here is to sway the audience’s opinions and prompt them towards the desired action.

Examples of persuasive presentations:

  • Pitch deck/investor presentations
  • Sales presentation
  • Business case presentation
  • Free business proposal presentation
  • Business proposal PowerPoint template
  • Pitch deck PowerPoint template
  • Account Plan PowerPoint template

Supporting Business Presentation

This category of business PowerPoint presentations is meant to facilitate decision-making — explain how we can get something done. The underlying purpose here is to communicate the general “action plan”. Then break down the necessary next steps for bringing it to life.

Examples of supporting presentations:

  • Roadmap presentation
  • Project vision presentation
  • After Action Review presentation
  • Standard operating procedure (SOP) PowerPoint template
  • Strategy map PowerPoint template
  • After action review (ARR) PowerPoint template

What Should Be Included in a Business Presentation?

Overall, the content of your business presentation will differ depending on its purpose and type. However, at the very minimum, all business presentations should include:

  • Introductory slide
  • Agenda/purpose slide
  • Main information or Content slides
  • Key Takeaways slides
  • Call-to-action/next steps slides

We further distill business presentation design and writing best practices in the next section (plus, provide several actionable business PowerPoint presentation examples!).

How to Make a Business Presentation: Actionable Tips

A business presentation consists of two parts — a slide deck and a verbal speech. In this section, we provide tips and strategies for nailing your deck design.

1. Get Your Presentation Opening Right

The first slides of your presentation make or break your success. Why? By failing to frame the narrative and set the scene for the audience from the very beginning, you will struggle to keep their interest throughout the presentation.

You have several ways of how to start a business presentation:

  • Use a general informative opening — a summative slide, sharing the agenda and main points of the discussion.
  • Go for a story opening — a more creative, personal opening, aimed at pulling the audience into your story.
  • Try a dramatic opening — a less apparent and attention-grabbing opening technique, meant to pique the audience’s interest.

Standard Informative Opening

Most business presentation examples you see start with a general, informative slide such as an Agenda, Problem Statement, or Company Introduction. That’s the “classic” approach.

To manage the audience’s expectations and prepare them for what’s coming next, you can open your presentation with one or two slides stating:

  • The topic of your presentation — a one-sentence overview is enough.
  • Persuasive hook, suggesting what’s in it for the audience and why they should pay attention.
  • Your authority — the best technique to establish your credibility in a business presentation is to share your qualifications and experience upfront to highlight why you are worth listening to.

Opening best suited for: Formal business presentations such as annual reports and supporting presentations to your team/business stakeholders.

Story Opening

Did you ever notice that most TED talks start with a quick personal story? The benefit of this presenting technique is that it enables speakers to establish quick rapport and hold the listener’s attention.

Here’s how Nancy Duarte, author of “Slide:ology: The Art and Science of Creating Great Presentations” book and TED presenter, recommends opening a presentation:

You know, here’s the status quo, here’s what’s going on. And then you need to compare that to what could be. You need to make that gap as big as possible, because there is this commonplace of the status quo, and you need to contrast that with the loftiness of your idea.

Storytelling , like no other tool, helps transpose the audience into the right mindset and get concentrated on the subject you are about to discuss. A story also elicits emotions, which can be a powerful ally when giving persuasive presentations. In the article how to start a presentation , we explore this in more detail.

Opening best suited for: Personal and business pitches, sales presentations, other types of persuasive presentations.

Dramatic Opening

Another common technique is opening your presentation with a major statement, sometimes of controversial nature. This can be a shocking statistic, complex rhetoric question, or even a provocative, contrarian statement, challenging the audience’s beliefs.

Using a dramatic opening helps secure the people’s attention and capture their interest. You can then use storytelling to further drill down your main ideas.

If you are an experienced public speaker, you can also strengthen your speech with some unexpected actions. That’s what Bill Gates does when giving presentations. In a now-iconic 2009 TED talk about malaria, mid-presentation Gates suddenly reveals that he actually brought a bunch of mosquitoes with him. He cracks open a jar with non-malaria-infected critters to the audience’s surprise. His dramatic actions, paired with a passionate speech made a mighty impression.

Opening best suited for: Marketing presentations, customer demos, training presentations, public speeches.

2. Get Your PowerPoint Design Right

Surely, using professional business PowerPoint templates already helps immensely with presentation deck design since you don’t need to fuss over slide layout, font selection, or iconography.

Even so, you’ll still need to customize your template(s) to make them on brand and better suited to the presentation you’re about to deliver. Below are our best presentation design tips to give your deck an extra oomph.

Use Images, Instead of Bullet Points

If you have ever watched Steve Jobs’s presentations, you may have noticed that he never used bullet-point lists. Weird right? Because using bullet points is the most universal advice in presentation design.

business unit overview presentation

But there’s a valid scientific reason why Jobs favored images over bullet-point texts. Researchers found that information delivered in visuals is better retained than words alone. This is called the “ pictorial superiority effect ”. As John Medina, a molecular biologist, further explains :

“Hear a piece of information, and three days later you’ll remember 10% of it. Add a picture and you’ll remember 65%.”

So if your goal is to improve the memorability of your presentation, always replace texts with images and visualizations when it makes sense.

Fewer Slides is Better

No matter the value, a long PowerPoint presentation becomes tiring at some point. People lose focus and stop retaining the information. Thus, always take some extra time to trim the fluff and consolidate some repetitive ideas within your presentation.

For instance, at McKinsey new management consultants are trained to cut down the number of slides in client presentations. In fact, one senior partner insists on replacing every 20 slides with only two slides . Doing so prompts you to focus on the gist — the main business presentation ideas you need to communicate and drop filler statements.

Here are several quick tips to shorten your slides:

  • Use a three-arc structure featuring a clear beginning (setup), main narrative (confrontation), ending (resolution). Drop the ideas that don’t fit into either of these.
  • Write as you tweet. Create short, on-point text blurbs of under 156 symbols, similar to what you’d share on Twitter.
  • Contextualize your numbers. Present any relevant statistics in a context, relevant to the listeners. Turn longer stats into data visualizations for easier cognition.

Consistency is Key

In a solid business presentation, each slide feels like part of the connecting story. To achieve such consistency apply the same visual style and retain the same underlying message throughout your entire presentation.

Use the same typography, color scheme, and visual styles across the deck. But when you need to accentuate a transition to a new topic (e.g. move from a setup to articulating the main ideas), add some new visual element to signify the slight change in the narrative.

3. Make Your Closure Memorable

We best remember the information shared last. So make those business presentation takeaways stick in the audience’s memory. We have three strategies for that.

Use the Rule of Three

The Rule of Three is a literary concept, suggesting that we best remember and like ideas and concepts when they are presented in threes.

Many famous authors and speakers use this technique:

  • “Duty – Honor – Country. Those three hallowed words reverently dictate what you ought to be, what you can be, and what you will be” . Gen. Douglas MacArthur.
  • “Life, Liberty, and the Pursuit of Happiness” are the unalienable rights of all humans that governments are meant to protect.” Thomas Jefferson

The Rule of Three works because three is the maximum number of items most people can remember on their first attempt. Likewise, such pairings create a short, familiar structure that is easy to remember for our brains.

Try the Title Close Technique

Another popular presentation closing technique is “Title Close” — going back to the beginning of your narrative and reiterating your main idea (title) in a form of a takeaway. Doing so helps the audience better retain your core message since it’s repeated at least two times. Plus, it brings a sense of closure — a feel-good state our brains love. Also, a brief one-line closure is more memorable than a lengthy summary and thus better retained.

Ask a Question

If you want to keep the conversation going once you are done presenting, you can conclude your presentation with a general question you’d like the audience to answer.

Alternatively, you can also encourage the members to pose questions to you. The latter is better suited for informational presentations where you’d like to further discuss some of the matters and secure immediate feedback.

Try adding an interactive element like a QR code closing your presentation with a QR code and having a clear CTA helps you leverage the power of sharing anything you would like to share with your clients. QR codes can be customized to look alike your brand.

12 Business Presentation Examples and What Makes Them Great

Now that we equipped you with the general knowledge on how to make a presentation for business, let’s take a look at how other presenters are coping with this job and what lessons you can take away from them.

1. N26 Digital Bank Pitch Deck

The Future of Banking by N26. An example of a Business Presentation with a nice cover image.

This is a fine business pitch presentation example, hitting all the best practices. The deck opens with a big shocking statement that most Millennials would rather go to the dentist than step into a bank branch.

Then it proceeds to discuss the company’s solution to the above — a fully digital bank with a paperless account opening process, done in 8 minutes. After communicating the main product features and value proposition, the deck further conceptualizes what traction the product got so far using data visualizations. The only thing it lacks is a solid call-to-action for closing slides as the current ending feels a bit abrupt.

2. WeWork Pitch Deck

Business Presentation Example by WeWork

For a Series D round, WeWork went with a more formal business presentation. It starts with laying down the general company information and then transitions to explaining their business model, current market conditions, and the company’s position on the market.

The good thing about this deck is that they quantify their business growth prospects and value proposition. The likely gains for investors are shown in concrete numbers. However, those charts go one after another in a row, so it gets a bit challenging to retain all data points.

The last part of their presentation is focused on a new offering, “We Live”. It explains why the team seeks funds to bring it to life. Likewise, they back their reasoning with market size statistics, sample projects, and a five-year revenue forecast.

3. Redfin Investor Presentation

Redfin Investor Presentation for Business. A Technology-Powered Real Estate Company.

If you are looking for a “text-light” business presentation example, Redfin’s investor deck is up to your alley. This simple deck expertly uses iconography, charts, and graphs to break down the company’s business model, value proposition, market share, and competitive advantages over similar startups. For number-oriented investors, this is a great deck design to use.

4. Google Ready Together Presentation

This isn’t quite the standard business presentation example per se. But rather an innovative way to create engaging, interactive presentations of customer case studies .

Interactive Online Presentation example by Google, from Customer Insights. Google Ready Together Presentation.

The short deck features a short video clip from a Google client, 7-11, explaining how they used the company’s marketing technology to digitally transform their operations and introduce a greater degree of marketing automation . The narrated video parts are interrupted by slides featuring catchy stats, contextualizing issues other businesses are facing. Then transitions to explaining through the words of 7-11 CMO, how Google’s technology is helping them overcome the stated shortcomings.

5. Salesforce Business Presentation Example

This is a great example of an informational presentation, made by the Salesforce team to share their research on customer experience (CX) with prospects and existing customers.

Business Presentation Example by Service Salesforce on How to Know Your Customer. A look into the Future of Customer Experience.

The slide deck errs on the lengthier side with 58 slides total. But bigger topics are broken down and reinforced through bite-sized statistics and quotes from the company leadership. They are also packaging the main tips into memorable formulas, itemized lists, and tables. Overall, this deck is a great example of how you can build a compelling narrative using different statistics.

6. Mastercard Business Presentation

This slide deck from Mastercard instantly captures the audience’s attention with unusual background images and major data points on the growth of populations, POS systems, and payment methods used in the upcoming decade.

Business Presentation by MasterCard on Technology and Payment solutions. The Unfinished Revolution.

Perhaps to offset the complexity of the subject, Mastercard chose to sprinkle in some humor in presentation texts and used comic-style visuals to supplement that. However, all their animations are made in a similar style, creating a good sense of continuity in design. They are also using colors to signify the transition from one part of the presentation to another.

In the second part, the slide deck focuses on distilling the core message of what businesses need to do to remain competitive in the new payments landscape. The team presents what they have been working on to expand the payment ecosystem. Then concludes with a “title close” styled call-to-action, mirroring the presentation title.

7. McKinsey Diversity & Inclusion Presentation

This fresh business slide deck from McKinsey is a great reference point for making persuasive business presentations on complex topics such as D&I. First, it recaps the main definitions of the discussed concepts — diversity, equity, and inclusion — to ensure alignment with the audience members.

Business Presentation Example by McKinsey Company on Diversity Wins: How inclusion matters.

Next, the business presentation deck focuses on the severity and importance of the issue for businesses, represented through a series of graphs and charts. After articulating the “why”, the narrative switches to “how” — how leaders can benefit from investment in D&I. The main points are further backed with data and illustrated via examples.

8. Accenture Presentation for the Energy Sector

Similar to McKinsey, Accenture keeps its slide deck on a short. Yet the team packs a punch within each slide through using a mix of fonts, graphical elements, and color for highlighting the core information. The presentation copy is on a longer side, prompting the audience to dwell on reading the slides. But perhaps this was meant by design as the presentation was also distributed online — via the company blog and social media.

Business Presentation Example by Accenture on Accelerating Innovation in Energy.

The last several slides of the presentation deck focus on articulating the value Accenture can deliver for their clients in the Energy sector. They expertly break down their main value proposition and key service lines, plus quantify the benefits.

9. Amazon Web Services (AWS) Technical Presentation

Giving an engaging technical presentation isn’t an easy task. You have to balance the number of details you reveal on your slides to prevent overwhelm, while also making sure that you don’t leave out any crucial deets. This technical presentation from AWS does great in both departments.

Business Presentation created by AWS explaining how to build forecasting using ML/DL algorithms.

First, you get entertained with a quick overview of Amazon’s progress in machine learning (ML) forecasting capabilities over the last decade. Then introduced to the main tech offering. The deck further explains what you need to get started with Amazon Forecast — e.g. dataset requirements, supported forecasting scenarios, available forecasting models, etc.

The second half of the presentation provides a quick training snippet on configuring Amazon SageMaker to start your first project. The step-by-step instructions are coherent and well-organized, making the reader excited to test-drive the product.

10. Snapchat Company Presentation

Snapchat’s business model presentation is on a funkier, more casual side, reflective of the company’s overall brand and positioning. After briefly recapping what they do, the slide deck switches to discussing the company’s financials and revenue streams.

business unit overview presentation

This business slide deck by Snap Inc. itself is rather simplistic and lacks fancy design elements. But it has a strong unified theme of showing the audience Snapchat’s position on the market and projected vector of business development.

11. Visa Business Acquisition Presentation

VISA Acquisition of Plaid Business presentation.

If you are working on a business plan or M&A presentation for stakeholders of your own, this example from Visa will be helpful. The presentation deck expertly breaks down the company’s rationale for purchasing Plaid and subsequent plans for integrating the startup into their business ecosystem.

The business deck recaps why the Plaid acquisition is a solid strategic decision by highlighting the total addressable market they could dive into post-deal. Then it details Plaid’s competitive strengths. The slide deck then sums up all the monetary and indirect gains Visa could reap as an acquirer.

12. Pinterest Earnings Report Presentation

Pinterest Business Presentation Example with Annual Report

Annual reports and especially earnings presentations might not be the most exciting types of documents to work on, but they have immense strategic value. Hence, there’s little room for ambiguities or mistakes.

In twelve slides, this business presentation from Pinterest clearly communicates the big picture of the company’s finance in 2021. All the key numbers are represented as featured quotes in the sidebar with diagrams further showcasing the earning and spending dynamics. Overall, the data is easy to interpret even for non-finance folks.

To Conclude

With these business presentation design tips, presentation templates , and examples, you can go from overwhelmed to confident about your next presentation design in a matter of hours. Focus on creating a rough draft first using a template. Then work on nailing your opening slide sequence and shortening the texts in the main part of your presentation when needed. Make sure that each slide serves a clear purpose and communicates important details. To make your business presentation deck more concise, remove anything that does not pertain to the topic.

Finally, once you are done, share your business presentation with other team members to get their feedback and reiterate the final design.

What Is A Strategic Business Unit? Strategic Business Unit In A Nutshell

A strategic business unit (SBU) is an independently managed division of a large organization with its own vision , mission , and objectives. A strategic business unit is a division responsible for managing its own strategy and bottom line and in some cases, is operated as a completely separate business. In some cases, SBUs encompass teams within an organization that share operational and administrative functions.

A is a semi-autonomous organizational unit or division within a larger company that operates as an independent business. SBUs are typically responsible for a distinct product line, brand, market segment, or geographic area. They have their own strategic goals, budgets, and management teams, allowing them to make decisions tailored to their specific market and competitive environment. The purpose of creating SBUs is to improve focus, accountability, and performance within the organization by breaking it down into smaller, more manageable units.
– : SBUs have a degree of autonomy in decision-making, including strategic planning, budgeting, and resource allocation.
– : They are often treated as profit centers, with their own profit and loss (P&L) statements to measure financial performance.
– : Each SBU may have a unique strategic approach based on its market or product focus.
– : SBUs are held accountable for achieving their specific goals and objectives.
– : They control their resources and investments to pursue growth opportunities or address challenges.
– The primary purpose of SBUs is to enhance the organization’s ability to manage and compete in diverse markets or industries.
– They facilitate better strategic alignment with market needs and enable quicker responses to changes in market conditions.
– SBUs can foster innovation and entrepreneurship within the organization by allowing units to experiment and take calculated risks.
– : SBUs can focus on their specific markets or products without being distracted by the broader concerns of the parent company.
– : They can allocate resources more efficiently, avoiding resource conflicts that can arise in centralized organizations.
– : SBUs are often more responsive to changing market dynamics and customer needs.
– : Clear accountability for performance encourages responsible decision-making.
– : Ensuring that SBUs align with the overall corporate strategy and cooperate when necessary can be challenging.
– : Allocation of resources among SBUs can be contentious if not managed well.
– : Maintaining multiple SBUs can increase administrative and management overhead.
– SBUs are commonly used in large, diversified organizations with multiple product lines or operating in various markets.

Understanding a strategic business unit

Many strategic business units are large enough to support functional departments such as human resources and training.

Despite enjoying some degree of autonomy, each unit must still report directly to company headquarters.

Some of the main characteristics of a strategic business unit include:

  • The competition is clearly and concisely identified.
  • A unique objective that differentiates it from the rest of the organization or other business units.
  • A well-defined and well-researched target market , and
  • The separation of businesses or grouping of similar businesses provided there is scope for autonomous planning and functioning.

General Electric was one of the first companies to implement SBUs in the 1960s.

Today, the company contains approximately 49 separate strategic business units in energy, finance, software, water, and healthcare, among many others.

Strategic business unit examples

Strategic business units can be defined according to the following:

Large companies can be split into smaller divisions based on the product category.

For example, an automobile manufacturer may split its product divisions into luxury sedans and off-road vehicles.

This sort of split into business units based on products fits into a sort of functional organizational structure .

Having this kind of division might help to have a dedicated team for each product.

And the advantage of it might be that each of those products gets dedicated resources.

However, depending on the market size the product is tackling, it might lose priority in the organization.

Take the case of a large company launching an experimental product in an area of the business far from its core product.

In that case, no only that business unit will get minimal resources. But they might get utterly de-prioritized as most of the executive team sees the new product line as distracting.

So to work out, this sort of division based on the product must get priority also from top executives.

Strategic business units are also useful for global organizations operating in many different markets.

The same automobile company may have a North American and European SBU to manage each region’s various rules, regulations, and consumer preferences.

This sort of organizational structure tackles different markets with different contexts.

It’s critical, though, that while each market operates independently, there is thought coordination between the various geography, as transfer learning within the organization.

Customer segment

Some companies, such as banks, may have separate business units for high-net-worth customers and small business loans.

This type of organizational structure is also suitable to prevent the company lose track of its core customer base, which finances the business.

Tech companies may also create new SBUs for innovations they do not expect to see a return on in the short term.

This organizational structure is compelling to bet into areas that ultimately move beyond the core business.

They call for a potentially renewed business model .

Like Google does with its other bets .

In general, any organization should have innovation units, which are like small startups within organizations, which not only act independently but also have the freedom to build their own culture.

Indeed, since startups often operate within a counter-culture environment, enabling these innovation units to operate in the proper context is critical for them to succeed.

Advantages and disadvantages of strategic business units

Let’s now take a look at some of the general advantages and disadvantages of strategic business units.

Profitability

When strategic business units can create their own value propositions for their respective target audiences, there is a higher likelihood of profitability.

This likelihood is further enhanced since each SBU operates under a budget based on its own specific requirements.

Decision-making

When faced with challenges or obstacles, management within each strategic business unit can focus on their immediate concerns and make rapid decisions that do not impact the organization as a whole.

With markets become increasingly dynamic, only the most adaptable businesses will survive over the long term.

The SBU structure allows each subunit to evolve as marketplace or consumer demographics evolve.

Again, these changes in strategy can be made without negatively impacting the broader organization.

Disadvantages

Creating semi-autonomous SBUs that still work to further organizational objectives can be a complex task.

Factors that need to be considered include culture, market conditions, short and long-term goals, brand messaging, and resource utilization.

Competition

In some cases, one strategic business unit may compete with another unit from the same organization.

While it is possible for a company to dominate its market with an umbrella of products, the potential for so-called product cannibalization exists.

Strategic business units are also costly to implement.

With each new unit requiring management, branding, recruitment, accounting, and other personnel, the organization must fill a range of positions many times over.

Key takeaways

  • A strategic business unit is an independently managed division of a large organization with its own vision , mission , and objectives.
  • A strategic business unit is commonly product, location, customer segment, or innovation -based. A company can create a strategic business unit in any situation provided there is a clear and unique target market and competitive presence. There must also be scope for the separation or grouping of business activities that can function autonomously.
  • Strategic business units improve decision-making, profitability, and increase the likelihood of company longevity. However, they are costly and complex to implement and may result in product cannibalization.

Key Highlights

  • Definition : A Strategic Business Unit (SBU) is an autonomous division within a larger organization, equipped with its distinct vision , mission , and objectives. SBUs can operate as separate businesses and are responsible for their strategy and bottom-line results. SBUs can also encompass teams that share operational functions while maintaining independent planning and operations.
  • SBUs are often large enough to have functional departments such as HR and training, yet they report to the organization’s headquarters.
  • Key characteristics of SBUs include clear competition identification, unique objectives, well-defined target markets, and the ability to operate autonomously.
  • The concept of SBUs was pioneered by General Electric in the 1960s, and today, many large organizations use this framework to manage diverse business areas.
  • Product-based SBUs : Divisions organized by product category, such as luxury sedans and off-road vehicles in an automobile manufacturer.
  • Location-based SBUs : Created by global organizations to manage different markets or regions, like North American and European divisions.
  • Customer segment-based SBUs : Division focused on specific customer segments, e.g., high-net-worth customers and small business loans in a bank.
  • Innovation-based SBUs : Created for experimental innovations with long-term potential that may deviate from the core business model .
  • Profitability : SBUs can tailor value propositions for target audiences, leading to higher profitability due to specific budget allocation.
  • Decision-making : SBUs can respond quickly to challenges without impacting the entire organization’s decision-making process.
  • Longevity : Adaptability to changing markets or consumer trends allows SBUs to evolve independently over the long term.
  • Complexity : Balancing autonomy while aligning with organizational objectives can be complex, considering cultural, market, and resource factors.
  • Competition : Competing SBUs within an organization may lead to product cannibalization and market confusion.
  • Cost : Implementing SBUs requires substantial resources for management, branding, recruitment, and more.
  • An SBU operates as an autonomous division with distinct objectives within a larger organization.
  • SBUs can be product, location, customer segment, or innovation -based, offering flexibility in various scenarios.
  • SBUs enhance decision-making, profitability, and adaptability but can be complex and costly to implement and may lead to competition or cannibalization.

Related Frameworks, Models, or ConceptsDescriptionWhen to Apply
is a framework developed by Michael Porter that outlines three generic competitive strategies that businesses can pursue to gain a competitive advantage in their respective industries: cost leadership, differentiation, and focus. Cost leadership involves becoming the lowest-cost producer in the industry, differentiation focuses on creating unique products or services that are valued by customers, and focus concentrates on serving a specific market segment or niche. By adopting one of these strategies, strategic business units (SBUs) can position themselves effectively within their markets and achieve sustainable competitive advantage.
is a strategic planning tool that helps organizations identify their internal strengths and weaknesses, as well as external opportunities and threats. By conducting a SWOT analysis, SBUs can assess their competitive position, understand market dynamics, and develop strategies to leverage their strengths, address weaknesses, capitalize on opportunities, and mitigate threats. SWOT analysis provides a comprehensive framework for aligning the SBU’s capabilities with its strategic goals and responding effectively to changes in the business environment.
is a strategic planning tool that helps organizations identify growth opportunities by analyzing four strategic options: market penetration, market development, product development, and diversification. Market penetration involves selling more of existing products or services to current customers, market development focuses on entering new markets with existing products or services, product development entails introducing new products or services to existing markets, and diversification involves entering new markets with new products or services. By using the Ansoff Matrix, SBUs can evaluate different growth strategies and choose the most suitable approach to expand their businesses and increase market share.
, also known as the Boston Consulting Group Matrix, is a portfolio analysis tool that helps organizations evaluate their business units based on two key dimensions: market growth rate and relative market share. The BCG Matrix categorizes SBUs into four quadrants: stars (high growth, high market share), cash cows (low growth, high market share), question marks (high growth, low market share), and dogs (low growth, low market share). By classifying SBUs into these categories, organizations can allocate resources effectively, prioritize investment opportunities, and manage their portfolio of businesses for optimal performance and growth.
is a strategic management tool that helps organizations analyze the activities involved in delivering a product or service to customers and identify opportunities for cost reduction, differentiation, and value creation. The value chain consists of primary activities such as inbound logistics, operations, outbound logistics, marketing and sales, and service, as well as support activities such as procurement, human resource management, technology development, and infrastructure. By conducting a value chain analysis, SBUs can identify areas where they can add value, streamline processes, and gain competitive advantage in their respective markets.
is a strategic management tool that helps organizations identify groups of firms within an industry that pursue similar strategies and compete on similar dimensions. Strategic groups are characterized by similarities in product offerings, target markets, distribution channels, and competitive advantages. By analyzing the strategic groups within their industry, SBUs can assess their competitive position, understand the dynamics of competition, and identify opportunities for differentiation and strategic positioning. Strategic Group Analysis provides valuable insights for formulating competitive strategies, benchmarking performance, and anticipating competitive threats.
refers to the unique strengths and capabilities that enable an organization to outperform its competitors and achieve superior performance in the marketplace. Competitive advantages can take various forms, such as cost leadership, differentiation, innovation, and customer loyalty. By leveraging their competitive advantages, SBUs can position themselves effectively in their markets, attract customers, and sustain long-term success.
involve collaborative agreements between organizations to achieve mutual goals and objectives, such as market expansion, technology sharing, or cost reduction. Strategic alliances can take various forms, such as joint ventures, licensing agreements, strategic partnerships, or supply chain collaborations. By forming strategic alliances and partnerships, SBUs can access complementary resources and capabilities, expand their market reach, and create synergies that enhance their competitive position and value proposition.
is a strategic foresight technique that involves envisioning and analyzing multiple plausible future scenarios to anticipate changes in the business environment and prepare for alternative futures. Scenario planning helps organizations identify uncertainties, drivers of change, and potential disruptions that could impact their strategies and operations. By exploring different scenarios and their implications, SBUs can develop more robust strategies, enhance their resilience, and make better-informed decisions in an uncertain and dynamic world.
is a strategic framework developed by W. Chan Kim and Renée Mauborgne that focuses on creating uncontested market space and making competition irrelevant by simultaneously pursuing differentiation and low cost. Blue Ocean Strategy encourages organizations to explore new market spaces, create innovative value propositions, and redefine industry boundaries to unlock new sources of value for customers and capture untapped market opportunities. By adopting Blue Ocean Strategy principles, SBUs can break away from competitive rivalry, differentiate themselves from competitors, and create new demand in uncontested market spaces.

Customize This Company Overview Presentation in Minutes

Let's cut to the chase—what is a Company Overview and why do you need one? You should already have a similar section in your Business Plan , so it may be unclear why an additional, stand-alone company overview is at all necessary.

Note: This is Part Two of our five-part "The Five Essentials for Your New Business” series, dedicated to small, medium and startup businesses. In this series, we cover how to create a Business Plan and Annual Marketing Plan , as well as offer advice on the best Tech Tools to grow your business fast and free Sales Proposal templates you can customize. Keep reading to learn how to create a Company Overview.

So, what is difference between a Business Plan and a Company Overview? Answer: The former is used internally, while a Company Overview is appropriate for external, public-facing communications. Usually, business plans are disseminated specifically to investors, board members and advisors as proprietary presentations. They often include confidential information about your business model, financials and suppliers.

On the other hand, a Company Overview is a public outline of your business that's available for all to see. It can be useful for a variety of reasons, including:

  • To recruit potential employees
  • To onboard specific supply partners
  • To land important client accounts
  • For marketing and public relations projects
  • As part of the human resources onboarding process

It shouldn't include top-secret information about your strategic initiatives or stealth-mode technologies. Think of your Company Overview presentation as a long-form manifesto of sorts, that should encourage people to get excited about your product or service.

That being said, we've geared this Company Overview Template specifically for those with younger companies—be it a small, medium or even startup business. You can either begin customizing our sample presentation right away, or continue reading for a step-by-step guide to creating a Company Overview.

Get the sample Company Overview presentation template now

First, introduce yourself.

‍ You’ve taken the stage to deliver your small business’ big message. Your title slide gives you the chance to create a visual thread that ties in with your company’s products or purpose. In this case, they’ve thoughtfully selected an illustration that relates to their brand, and also sets a relevant, "mindful" mood.

Start your presentation by stating your name and clearly explaining your role. This seems obvious, but many presenters forget to offer personal background at the beginning. This is not only helpful for context, but necessary when your name isn’t the only one at the bottom of the slide. Though there may only be one presenter on the stage, give contributors their well-deserved credit by including their names and titles.

business unit overview presentation

Set expectations for the rest of the presentation.

‍ Give your audience a section-by-section breakdown of what your presentation covers, and what they should take away from it. For additional guidance, use the Rule of 3 to both define your “big picture” topics and give your presentation a clear beginning, middle, and end.

At this time during the presentation, you won’t want to spend tons of time diving into the details of each section listed. Save this for later, when you get to the dedicated slide for each agenda item. Once you've given your audience a minute to read the list, head on to the next page.

business unit overview presentation

Get philosophical.

‍ You founded your company to fulfill a purpose—and now is the time to put that into words. This slide should explain the "Why" behind your purpose and elicit some emotion. This doesn’t need to be incredibly specific. In fact, having a more general philosophy allows you to keep your company's vision on course without limiting opportunities to grow in the future. Senshent's Founding Philosophy is general enough to cover them for a few years, when they set their sights on various new technologies.

business unit overview presentation

Focus on the mission, goals and advantage. ‍

Expand on your business’ founding philosophy and offer more details on What your business stands for, Why you’re doing it, and How you’ll offer value. Start with your Mission Statement. This nails down one clear, concise goal using powerful, purposeful language. Identify 2-3 key outcomes you hope your mission achieves. Keep it simple and include some "key performance indicators" such as landing X amount of accounts, bringing a valuable, specific solution to market, etc. Lastly, explain the Advantages or "special sauce" your team will leverage to support growth and expansion.

business unit overview presentation

Outline what your company offers.

‍ Write a lineup that briefly lists your company's current services or products, and offers a description of each. If you offer a single product, utilize a full slide to go into more detail. If you have something currently in beta or soon to be released, you may want to include a sneak peek here.

business unit overview presentation

Show the progress you've made.

‍ This is the part where you get to show off how your business has grown since it was founded. If your business is just getting off the ground, there’s no need to fill a timeline with a dozen, small events. Highlight important items such as big hires, expansion, partnerships and fundraising. Whether your timeline is packed or just getting started, express these milestones to your audience with an attitude of “the best is yet to come.”

business unit overview presentation

Introduce the founding team.

Highlight the executive team and explain how each has helped mold the company into what it is today—as well as their unique plans to shape it in the future. Each of these leaders will likely have an interesting story that brought them to this point in their career.

If you're a founder, consider sharing an anecdote about a time when you personally felt the pain point your company is solving for, and what motivated you to then start a business (no small feat!). This is a wonderful way to connect with your audience on a more intimate level and sell your idea in an authentic way.

business unit overview presentation

Share your upcoming moves.

‍ This section break gives you a chance to pause and check in with your audience before you switch gears into your next segment. Feel free to stop and say "Any questions at this point?" or "Concerns about the last section?" It also lets your audience know that you’re transitioning into a new topic—your plans for the future.

business unit overview presentation

Lay out your company's 12-month roadmap. ‍

Employees, investors and clients alike will appreciate knowing you've thought about the future, so let them in on what you’ve got planned for the upcoming year. In Senshent’s case, they’ve used a Carousel template to plot their upcoming launches—plus job openings that they’re excited to fill. Emphasize big news here, including: new product prototypes, planned funding rounds, version updates and launches, hiring needs, or any other major changes that will affect the company in the foreseeable future.

business unit overview presentation

Explain how client research has informed your roadmap.

‍ The next section will identify your client segments, and how client research will help your business grow—a very important piece of the overall presentation. Pull any and all relevant statistics and data points into this section, after taking time to do tons of information-gathering of course. Having accurate metrics to reference quickly will help you answer any questions (or critics) you have in the crowd with confidence.

business unit overview presentation

Talk roots and expansion.

‍ Most companies begin by targeting a select group of clients that—based on what the research has revealed—would benefit from your offerings the most. Maybe you've found that Human Resources Specialists are your largest user segment, or that Business Development associates account for the highest number of referrals. Show your audience all the demographic and psychographic information you've accumulated about your clients, and highlight any findings that support your specific growth trajectory. Explain the conclusions that have then led you to identify future customers, and how you'll use this information as a springboard for success.

business unit overview presentation

Mention the other big players in your company's space.

‍ It would be amazing to be the first product to market and have no competitors whatsoever. However, that's pretty rare. Knowing who or what you're up against (even indirect competition) shows you've done your homework, so be sure to include that information. Be prepared to add in-depth analysis and insight into a few “big name” players in your industry, and talk about what you're doing better, faster, et cetera. If you have them, provide metrics you've collected that support the idea that your small business can disrupt the status quo.

business unit overview presentation

Wrap up time: Q&A and Contact info.

‍ If you're presenting in person, always leave time to address the room and answer any questions your audience may have. It’s important to show your mastery of the content you’ve just presented before you've come this far. However, it’s just as crucial to understand that your audience has never seen your presentation before and won't be anywhere near as familiar as you are to the subject matter. So making sure they know that "no question is a silly question" is a great way to further connect with your audience at this time.

Think through "back pocket," or succinct responses, to any obvious questions your audience might ask in advance. You know your company like the back of your hand, but be sure to approach your answers from a newcomer’s mindset. Aim to merge your personal expertise into a jargon-free explanation that's easily digestible.

Start customizing this sample presentation now

After the Q&A portion, let the audience know where they can find you (digitally and physically). Tell your audience if you prefer being emailed, messaged on Linkedin, or called on your office landline. Provide a list of the things that they may contact you for, such as: brand partnerships, press features, career opportunities, or any other business-related inquiries.

We designed this simple Company Overview presentation template for you small and medium business owners and employees out there, so you can breathe easier and focus on your unique point of view. Of course, we encourage you to add additional slides for other subtopics that will help you illustrate your business idea better. We have hundreds of slide templates that automatically adapt to suit your content as you work. And don't miss our upcoming Tech Hacks, Social Media Strategy and Annual Marketing Plan templates—specifically made for small, medium and startup businesses.

What is a Business Unit Strategy?

A business unit strategy is a plan that outlines the goals and objectives of a business unit and outlines the steps needed to achieve them. It identifies the focus areas, objectives, and measurable targets that will help a business unit achieve its goals. It also outlines the actions required to reach the objectives, as well as the resources needed to carry out the actions. The strategy is designed to maximize performance and profitability and help the business unit reach its desired results.

What's included in this Business Unit Strategy template?

  • 3 focus areas
  • 6 objectives

Each focus area has its own objectives, projects, and KPIs to ensure that the strategy is comprehensive and effective.

Who is the Business Unit Strategy template for?

The Business Unit Strategy template is designed for business unit leaders and teams who are looking to develop strategies to maximize performance and profitability. It provides a framework for business units to create their own strategies, and the templates provide a structure for each focus area, objectives, measurable targets, and actions needed to reach the desired results.

1. Define clear examples of your focus areas

Focus areas are the main areas of focus for the business unit in a given time frame. Examples of focus areas could include improving profitability, increasing customer satisfaction, or improving efficiency. It is important to identify the focus areas clearly, as they will be the basis of the strategy and inform the objectives, measures, and actions needed to reach the desired results.

2. Think about the objectives that could fall under that focus area

Objectives are specific goals that are outlined to help the business unit reach its desired results. They should be measurable and achievable, and should align with the focus areas. For example, if the focus area is improving profitability, the objectives could include increasing revenue and decreasing costs.

3. Set measurable targets (KPIs) to tackle the objective

KPIs, or Key Performance Indicators, are measurable targets that can help the business unit track its progress towards achieving its objectives. They help to provide a tangible measure of success, and can be used to measure the success of the strategy. Examples of KPIs include conversion rate, average shipping cost, customer satisfaction rate, and average time per session. An example of a KPI for the focus area of Improve Profitability could be: Increase Conversion Rate from 10% to 15%.

4. Implement related projects to achieve the KPIs

Projects, or actions, are the steps needed to reach the objectives. For example, if the objective is to increase revenue, the project could be to increase the conversion rate. It is important to identify the projects needed to reach each objective, as they will help the business unit progress towards its desired results.

5. Utilize Cascade Strategy Execution Platform to see faster results from your strategy

Cascade is a strategy execution platform that helps business units to develop, implement, and track the progress of their strategies. It provides an easy-to-use interface to help teams collaborate and track their progress, as well as tools to help identify and set measurable targets. With Cascade, teams can see faster results from their strategies and reach their desired goals more quickly.

What are the types of strategic business units?

The types of strategic business units can be categorized from the Boston Consulting Group (BCG) Matrix. These four types include question marks, stars, dogs, and cash cows.

What is the purpose of a strategic business unit?

The purpose of a strategic business unit is to allow a part of a company to focus on a particular product or brand. Strategic business units are able to work independently to create strategic approaches that are different from the organization.

As businesses grow into larger organizations, they may need to expand to operate more efficiently. To better focus on specific parts of the business, an organization may opt to form what is referred to as a strategic business unit.

The strategic business unit (SBU) definition refers to a type of business that is part of a larger organization but functions as if it is its own entity. This unit is essentially an independent division of the company which can operate independently, with a different mission statement , customer base, and competitors. Strategic business units have more flexibility in how they operate since they are separate from the organization; however, these units are still considered part of the business and should report back to the organization's headquarters.

A strategic business unit may be formed when a business determines these operations should be separate from the company as a whole, which also includes new product lines . This allows the unit to focus on the specific purpose and make strategic decisions that align with the purpose of the unit. SBUs should still work towards the common goals of the company while maintaining and implementing the strategies of the individual unit.

  • 3:30 Lesson Summary

A strategic business unit is flexible, independent, and autonomous in its operations and business strategies. These units have flexibility in that they are able to make changes to focus on their specific target market. While the organization has a certain purpose for the work it does, the unit can form its own mission statement. The SBU can then focus on the brand it wants to create, which may be quite different from the organization.

Though part of the organization or corporation, strategic business units are independent. SBUs typically consist of a separate brand or product line to differentiate them from the company. They may consist of separate teams of workers to help accomplish the goals of the unit; on the other hand, they may have help from workers in other strategic business units or in other parts of the company. Strategic business units may share some of the facilities, equipment, and functional aspects of the organization, such as accounting, sales, and human resources.

In general, strategic business units are autonomous, meaning they can operate on their own. The larger organization may have some input, such as the budget or policies of the company, but the unit is able to make strategic decisions. Strategic business units can be classified depending on how well they perform within a market and whether that market is growing.

Types of SBUs

When a business has many individual units operating separately, the units together are referred to as a portfolio, similar to an investment portfolio. To analyze the metrics from these separate units all together, the business can use different approaches. The BCG Matrix (BCG stands for Boston Consulting Group) categorizes units into four categories for portfolio planning purposes. These include question marks, stars, dogs, and cash cows.

Boston Consulting Group Matrix

Lower market share
but higher growth

Higher market share
& growth

Lower market share
& growth

Higher market share
but lower growth

The top of the matrix represents higher market growth while the bottom represents lower market growth. The left column of the matrix represents lower market share while the right column represents higher market share.

Question marks are the strategic business units which have a low share in a market that is growing at a high rate. The business must decide to either sell the unit or invest in it to enable it to grow with competitors. Stars are the units that are seeing high market growth and also have a high share in within that market. Stars are considered the most successful of the four types of units. Dogs are the units that are in markets characterized by low growth and only have a low share of this weaker market. Dogs aren't expected to bring in much income to the business and are often sold to other businesses or eliminated. Cash cows are the units that have a high share of a market that is seeing low growth. The business must determine if it needs to make improvements to these products.

Strategic business units can be formed in various industries and corporations. Some SBU examples include:

  • An apparel company that wants to add a new product line of swimwear and have it operated as a separate brand
  • A computer company that is expanding to begin selling smartphones with different branding
  • An appliance company that is adding in a home décor section, which should be promoted differently from the appliances
  • A company that manufactures bread but also begins producing snacks using a different name brand

Strategic business units have both advantages and disadvantages. SBUs are beneficial as they allow for better focus, differentiation, and competitive advantage. SBUs use their focus to concentrate on the target audience to differentiate the product and provide cost leadership for the organization. With these tactics, the SBU can differentiate its brand within the market. As it progresses and grows, the SBU can ultimately create a competitive advantage in the market. An SBU provides a way for the company to position itself for optimum potential in seeking profitability for the company as a whole.

There are also some disadvantages to strategic business units. There may be increased costs associated with having to run the unit independently as opposed to running it as a whole with the organization. Resources may also be limited and might need to be provided by the organization, which could create competition from other SBUs. It may also cause issues in communication processes or create a more decentralized communication structure.

The strategic business unit (SBU) meaning refers to a type of business that is part of a larger organization but functions as an independent division of the company. Strategic business units have more flexibility in how they conduct business because they are separate from the organization; however, they must still report back to the headquarters of the organization. SBUs have advantages, such as allowing for better focus, differentiation, and competitive advantage. They also provide a way for the company to position itself for optimum potential in profitability for the company as a whole. Focus allows the business to concentrate on the target audience to differentiate the product and to provide cost leadership for the organization

The BCG Matrix (BCG is the Boston Consulting Group) categorizes these units into four categories for portfolio purposes: question marks, stars, dogs, and cash cows. Question marks are the SBUs with a low share in a market growing at a high rate. Stars are the most successful units which are seeing high market growth and have a high share in that market. Dogs are not expected to become successful since these only have a low share of a market with low growth. Cash cows are the units that have a high share of a market with low growth.

Video Transcript

Strategic business unit defined.

A strategic business unit is a fully functional and distinct unit of a business that develops its own strategic vision and direction. Within large companies, there are several smaller specialized divisions that work towards specific projects and goals, and we see this organizational setup frequently in global companies. The strategic business unit, often referred to as an SBU, remains an important component of the company and must report back through headquarters about their operational status. Typically, they will operate as an independent organization with a specific focus on target markets and are large enough to maintain internal divisions such as finance, HR, and so forth.

There are many great examples of SBUs that we can relate to. For instance, General Electric has 49 SBUs in such markets as appliances, aerospace, electronics, and so on. LG operates along the same lines, with SBUs competing in electronics and appliances, among others. So, why do each of these SBUs differentiate from each other and still belong to the same organization? We'll discuss that now.

Differences in SBUs

When GE, LG, or any other company initiates a strategic business unit, there are clearly some distinct differences from the traditional pyramidal, hierarchical structure that businesses take. It can be difficult for the pyramid setup to have the ability to outline a business strategy that will encompass all aspects of the markets the company is present in. This typically results in elements of the business being overlooked or never quite as detailed as they need to be. As a result, firms begin initiating SBUs, which have their own separate ability to craft industry-specific strategy as it relates to their function. This allows for the SBU to perform competitive analysis on their market positions and develop goods and services that meet the needs of the target audience.

This approach also benefits the organization as a whole. In the pyramid setup, it can be difficult to understand which business activities are contributing the most value to the organization and which should be evaluated. When an organization adopts the strategic business unit approach, they enable the unit the ability to make decisions based on resources and efficiencies and it becomes clearer how each SBU performs in relation to the overall organization.

Advantages of Strategic Business Units

We have discovered that strategic business units offer organizations a greater level of flexibility and a dynamic approach to business changes as they relate to specific industries. Focus, differentiation, and competitive advantages are some specific benefits to strategic business units.

  • Focus is an advantage that allows for the organization to concentrate on the target audience and provide cost leadership to the company.
  • Differentiation allows a company to meet the distinct needs of the target audience by supplying products and services that are valued by those specific users. Your customers come to you because you have differentiated your brand from the competition, and the SBU enables additional success as a result.
  • Competitive advantages are provided through the ability to offer more value to your customers. The SBU setup has accounted for an increase in value as a result of lower prices and improved benefits for the customers. The SBU is able to achieve this because they have full control over their business activities and strategy.

Strategic business units , or fully functional and distinct units of a business that develop their own strategic vision and direction, provide organizations with the necessary flexibility to maneuver through dynamic business environments while captivating the market and providing value to the core of the company. This common setup seen in many large companies allows for the business unit to focus on specific strategic visions that offer appeal and profitability for the organization. Focus , differentiation , and competitive advantages are some of the specific benefits that strategic business units offer to companies.

FAQs on Business Summary

What is a good business summary.

A business summary also known as an executive summary is a business plan overview that is used by new entrepreneurs or business owners to succinctly highlight the essential elements of their business ideas to potential stakeholders like angel investors. Usually, a business summary is one pager or 2-4 pages long that sums up the whole business including your target market, financial highlights, the area of dealing, etc., A good business summary should emphasize your company’s story, perform in-depth research, convey information, and grab your readers’ attention by convincing them that it is worth their time to read the rest of the business proposal.

How do you write a business summary?

If you are writing a business summary, these five steps need to be

1) A business plan: The first step is to write the entire business plan so that your business summary can briefly cover the most essential topics, facts and details of your business proposal, give a brief background on your company history, processes, system, team, and more to weave a compelling story to engage the audience.

2) Introduction: The next step is to write an engaging introduction which depends on your audience. For instance, if you are in a tech company, your introduction might include a brief story about tech trends. Make it relevant at all costs; this is fundamental, but often ignored.

3) Business summary: After writing an engaging introduction, go through your business plan and summarize critical points such as the marketing plan, target audience, company description, management team, and so on. Ideally, your business summary should be engaging enough to persuade readers to finish the document.

4) Edit the document: Before finalizing the business summary, make sure that you have double-checked the document for accuracy and clarity. Remove buzzwords, repetitive information, jargon, passive language, unsupported claims, etc. so that your business summary can act as a standalone document.

5) Professional assistance: Once you have cross-checked your business summary, the final step is to seek the assistance of a professional writer or editor, and ensure that your document covers points you are trying to convey.

What should be included in a business summary?

A business summary is a short synopsis of your business plan that addresses topics like:

1) Business description: A business description include a clear picture of your business, the types of products or services it offers, the target market, etc.

2) History: After basic information about the company, add a detailed overview including the establishment date, owner’s background and current location.

3) Achievements: Focus on the highlights of your company such as revenue growth rate, customer growth rate and market share you hope to capture (if you are confident about it).

4) Product description: One or two paragraphs of your business summary should be devoted to the company’s products or services description, reasons for demand growth, and their competitive advantages.

5) Financial overview: If you are an existing company and using a business summary to solicit financing, don’t forget to highlight recent annual sales and growth over the last year.

6) Plans and milestones expected to be achieved: The last paragraph of your business summary should discuss future milestones that your company hopes to achieve in the long run.

Tips: When synthesizing each section, highlight the most relevant details to your readers including facts and statistics that you think they must know or must be eager to know.

Introducing Microsoft 365 Copilot – your copilot for work

Humans are hard-wired to dream, to create, to innovate. Each of us seeks to do work that gives us purpose — to write a great novel, to make a discovery, to build strong communities, to care for the sick. The urge to connect to the core of our work lives in all of us. But today, we spend too much time consumed by the drudgery of work on tasks that zap our time, creativity and energy. To reconnect to the soul of our work, we don’t just need a better way of doing the same things. We need a whole new way to work.

Today, we are bringing the power of next-generation AI to work. Introducing Microsoft 365 Copilot — your copilot for work . It combines the power of large language models (LLMs) with your data in the Microsoft Graph and the Microsoft 365 apps to turn your words into the most powerful productivity tool on the planet.

“Today marks the next major step in the evolution of how we interact with computing, which will fundamentally change the way we work and unlock a new wave of productivity growth,” said Satya Nadella, Chairman and CEO, Microsoft. “With our new copilot for work, we’re giving people more agency and making technology more accessible through the most universal interface — natural language.”

Copilot is integrated into Microsoft 365 in two ways. It works alongside you, embedded in the Microsoft 365 apps you use every day — Word, Excel, PowerPoint, Outlook, Teams and more — to unleash creativity, unlock productivity and uplevel skills. Today we’re also announcing an entirely new experience: Business Chat . Business Chat works across the LLM, the Microsoft 365 apps, and your data — your calendar, emails, chats, documents, meetings and contacts — to do things you’ve never been able to do before. You can give it natural language prompts like “Tell my team how we updated the product strategy,” and it will generate a status update based on the morning’s meetings, emails and chat threads.

With Copilot, you’re always in control. You decide what to keep, modify or discard. Now, you can be more creative in Word, more analytical in Excel, more expressive in PowerPoint, more productive in Outlook and more collaborative in Teams.

Microsoft 365 Copilot transforms work in three ways:

Unleash creativity. With Copilot in Word, you can jump-start the creative process so you never start with a blank slate again. Copilot gives you a first draft to edit and iterate on — saving hours in writing, sourcing, and editing time. Sometimes Copilot will be right, other times usefully wrong — but it will always put you further ahead. You’re always in control as the author, driving your unique ideas forward, prompting Copilot to shorten, rewrite or give feedback. Copilot in PowerPoint helps you create beautiful presentations with a simple prompt, adding relevant content from a document you made last week or last year. And with Copilot in Excel, you can analyze trends and create professional-looking data visualizations in seconds.

Unlock productivity. We all want to focus on the 20% of our work that really matters, but 80% of our time is consumed with busywork that bogs us down. Copilot lightens the load. From summarizing long email threads to quickly drafting suggested replies, Copilot in Outlook helps you clear your inbox in minutes, not hours. And every meeting is a productive meeting with Copilot in Teams. It can summarize key discussion points — including who said what and where people are aligned and where they disagree — and suggest action items, all in real time during a meeting. And with Copilot in Power Platform, anyone can automate repetitive tasks, create chatbots and go from idea to working app in minutes.

GitHub data shows that Copilot promises to unlock productivity for everyone. Among developers who use GitHub Copilot, 88% say they are more productive, 74% say that they can focus on more satisfying work, and 77% say it helps them spend less time searching for information or examples.

But Copilot doesn’t just supercharge individual productivity. It creates a new knowledge model for every organization — harnessing the massive reservoir of data and insights that lies largely inaccessible and untapped today. Business Chat works across all your business data and apps to surface the information and insights you need from a sea of data — so knowledge flows freely across the organization, saving you valuable time searching for answers. You will be able to access Business Chat from Microsoft 365.com, from Bing when you’re signed in with your work account, or from Teams.

Uplevel skills. Copilot makes you better at what you’re good at and lets you quickly master what you’ve yet to learn. The average person uses only a handful of commands — such as “animate a slide” or “insert a table” — from the thousands available across Microsoft 365. Now, all that rich functionality is unlocked using just natural language. And this is only the beginning.

Copilot will fundamentally change how people work with AI and how AI works with people. As with any new pattern of work, there’s a learning curve — but those who embrace this new way of working will quickly gain an edge.

The Copilot System: Enterprise-ready AI

Microsoft is uniquely positioned to deliver enterprise-ready AI with the Copilot System . Copilot is more than OpenAI’s ChatGPT embedded into Microsoft 365. It’s a sophisticated processing and orchestration engine working behind the scenes to combine the power of LLMs, including GPT-4, with the Microsoft 365 apps and your business data in the Microsoft Graph — now accessible to everyone through natural language.

Grounded in your business data. AI-powered LLMs are trained on a large but limited corpus of data. The key to unlocking productivity in business lies in connecting LLMs to your business data — in a secure, compliant, privacy-preserving way. Microsoft 365 Copilot has real-time access to both your content and context in the Microsoft Graph. This means it generates answers anchored in your business content — your documents, emails, calendar, chats, meetings, contacts and other business data — and combines them with your working context — the meeting you’re in now, the email exchanges you’ve had on a topic, the chat conversations you had last week — to deliver accurate, relevant, contextual responses.

Built on Microsoft’s comprehensive approach to security, compliance and privacy. Copilot is integrated into Microsoft 365 and automatically inherits all your company’s valuable security, compliance, and privacy policies and processes. Two-factor authentication, compliance boundaries, privacy protections, and more make Copilot the AI solution you can trust.

Architected to protect tenant, group and individual data. We know data leakage is a concern for customers. Copilot LLMs are not trained on your tenant data or your prompts. Within your tenant, our time-tested permissioning model ensures that data won’t leak across user groups. And on an individual level, Copilot presents only data you can access using the same technology that we’ve been using for years to secure customer data.

Integrated into the apps millions use every day. Microsoft 365 Copilot is integrated in the productivity apps millions of people use and rely on every day for work and life — Word, Excel, PowerPoint, Outlook, Teams and more. An intuitive and consistent user experience ensures it looks, feels and behaves the same way in Teams as it does in Outlook, with a shared design language for prompts, refinements and commands.

Designed to learn new skills.  Microsoft 365 Copilot’s foundational skills are a game changer for productivity: It can already create, summarize, analyze, collaborate and automate using your specific business content and context. But it doesn’t stop there. Copilot knows how to command apps (e.g., “animate this slide”) and work across apps, translating a Word document into a PowerPoint presentation. And Copilot is designed to learn new skills. For example, with Viva Sales, Copilot can learn how to connect to CRM systems of record to pull customer data — like interaction and order histories — into communications. As Copilot learns about new domains and processes, it will be able to perform even more sophisticated tasks and queries.

Committed to building responsibly

At Microsoft, we are guided by our AI principles and Responsible AI Standard and decades of research on AI, grounding and privacy-preserving machine learning. A multidisciplinary team of researchers, engineers and policy experts reviews our AI systems for potential harms and mitigations — refining training data, filtering to limit harmful content, query- and result-blocking sensitive topics, and applying Microsoft technologies like InterpretML and Fairlearn to help detect and correct data bias. We make it clear how the system makes decisions by noting limitations, linking to sources, and prompting users to review, fact-check and adjust content based on subject-matter expertise.

Moving boldly as we learn

In the months ahead, we’re bringing Copilot to all our productivity apps—Word, Excel, PowerPoint, Outlook, Teams, Viva, Power Platform, and more. We’ll share more on pricing and licensing soon. Earlier this month we announced Dynamics 365 Copilot as the world’s first AI Copilot in both CRM and ERP to bring the next-generation AI to every line of business.

Everyone deserves to find purpose and meaning in their work — and Microsoft 365 Copilot can help. To serve the unmet needs of our customers, we must move quickly and responsibly, learning as we go. We’re testing Copilot with a small group of customers to get feedback and improve our models as we scale, and we will expand to more soon.
