How to Write a Strong Personal Statement for Graduate School

  • by Heidi Kerr and Paul David Terry
  • November 10, 2020

A student sits on his laptop at the Silo at UC Davis.

You’ve made the exciting decision to pursue a graduate degree. Congratulations! There are a wide range of graduate programs to explore , and once you’ve selected the right program for you, it’s time to begin the graduate application process.

The statement of purpose and personal history statement are key components of the UC Davis graduate school application . With fewer than 4,000 characters allowed for each essay, these statements can seem particularly daunting. However, each one has a specific purpose for showcasing your academic journey and creating a holistic application.

Below, we’ve analyzed the differences between the statement of purpose and personal history statement and provided tips for writing these graduate school admissions essays.

Statement of Purpose and Personal History: What’s the Difference?

A student examines chemicals through a beaker while wearing a lab coat and goggles.

The statement of purpose shares your academic objectives with the admissions committee and explains why you want to obtain a graduate degree. The personal history statement provides background about who you are and how your experiences have shaped your interests and ability to overcome challenges. Each essay has specific goals to showcase your experience, passion and story.

How to Write a Strong Statement of Purpose

The statement of purpose should highlight your academic preparation , motivation and interests, along with any specializations and career goals that contribute to your program of study. As you write your statement of purpose, it should encompass some of the following:

  • Academic and research experiences - Include any relevant academic studies or research pursuits, internships or employment, presentations, publications, teaching, and travel or study abroad experiences that prepare you for this graduate program. Explain your motivation or passion for these experiences and how they can enrich your graduate study.
  • Interests, specializations, and career goals - Highlight your research interests, disciplinary subfields, area(s) of specialization, and professional objectives.
  • Fit - Explain how your preparation, experiences, and interests match the specific resources and characteristics of your graduate program at UC Davis. Identify specific faculty within your desired graduate program with whom you would like to work and how their interests match your own.

The statement of purpose should also address why you want to pursue the particular graduate degree program at the university and what your goals are in pursuing a degree. Remember, the statement of purpose should explain exactly that, your purpose for becoming a graduate student. This is the primary way it stands apart from your personal history statement.

What to Include in Your Personal History Statement

A student smiles as she inspects yellow liquid underneath a microscope, while her professor watches on.

The personal history statement helps the reader learn more about you as an individual and potential graduate student. Use this opportunity to describe how your personal background informs your decision to pursue a graduate degree. Tell a story that  includes any experiences, challenges or opportunities relevant to your academic journey. Consider how your life experiences contribute to the social, intellectual, or cultural diversity within a campus community and your chosen field.

A strong personal history statement begins with an authentic voice and personal narrative. This can reflect your journey to graduate school, any obstacles you’ve encountered, and how you've overcome challenges. Talk about your personal goals and dreams. Explain what motivates and drives you toward this degree. The more your personal statement tells your school about you as an individual, the more it will stand out. Don't write something to impress someone else. This includes language, style and tone. Authenticity is important and resonates well. Tell the truth, in your voice, from your perspective. Use your story to connect.

When the ambition to pursue graduate school first sparked in me, one thing was clear: my destination was business school. Yet, the journey to find the right program that aligned with my career goals was marked by uncertainty and intricate decision-making.

Seeking Expert Guidance

To begin my quest, I turned to my trusted mentors — professors from my undergraduate days at California State University, Sacramento. Their counsel was invaluable, emphasizing the significance of specialized programs in elevating one’s skills and honing expertise in a chosen field. With a background in business analytics, I was drawn to the realm of analytics and data.

Narrowing Down the Options — How I Did It

The next step was to sift through the multitude of graduate programs available in the United States that matched my interests. Here’s how I meticulously curated my list of prospects:

  • Thorough Web Exploration: I meticulously combed through program websites, scrutinizing crucial aspects such as curriculum details, faculty profiles, program duration, and historical placement records.
  • Insightful Info Sessions: I actively participated in group information sessions, a common feature in most graduate programs. These sessions not only provided valuable insights into program offerings but also assisted applicants in aligning their choices with their personal goals.
  • Personalized Engagement: For programs without formal information sessions, I took the initiative to arrange one-on-one meetings with program executive directors. This personalized approach allowed me to delve deeper into each program’s unique attributes.
  • Adaptable Exam Strategy (GRE/GMAT): While initially preparing for the GRE, I later adopted a more flexible approach by focusing on schools that offered GRE waivers. This decision is highly individual, and schools granting waivers typically require an approved essay as an alternative assessment method.
  • Data-Driven Decision-Making: To ensure the soundness of my choices, I relied on objective data, including program rankings and alumni placement records, to validate my selection process. This rigorous evaluation bolstered my confidence in the chosen graduate programs.

With these criteria, I successfully narrowed down my options, and it was time to apply and patiently await interview invitations.

Crafting a Winning Application: Tips That Worked for Me

  • Strong Recommendation Letters: Aim to secure two distinctive recommendation letters — one from a faculty member and another from your work, internship, or volunteer engagement. These letters are powerful tools for illustrating your character and work ethic, profoundly influencing the admissions committee’s decisions.
  • Refine Your Essays: Seek out constructive feedback on your essays. Reach out to trusted individuals such as professors, coworkers, or family members to ensure your narrative is not only clear but also resonates deeply.
  • Embrace Additional Essays: Whenever the opportunity arises, seize it! Crafting additional essays showcases your unwavering dedication to the application process. Furthermore, it allows you to illuminate facets of your character and experiences that may not be adequately conveyed in other essays.
  • Document Your Contributions: Maintain a comprehensive record of your extracurricular activities and volunteer experiences. Most graduate applications offer space to highlight your accomplishments and contributions. An organized list makes it easy to showcase your awards and the impact you’ve had in these areas. These tips serve as invaluable assets in crafting a compelling application that stands out in the competitive landscape of graduate admissions.

Choosing UC Davis in the Heart of San Francisco

These strategies were an indispensable compass during my application season, guiding me through the maze of choices. As interview invitations finally graced my inbox, I remained steadfast in my authenticity, ultimately leading me to select the Master of Science in Business Analytics program at the University of California, Davis — Graduate School of Management, nestled in the vibrant city of San Francisco, California.

Why UC Davis?

  • Unparalleled Curriculum: UC Davis impressed me with its rigorous 10-month curriculum, which promises an intensive academic experience. What sets it apart is the yearlong practicum that allows for the immediate application of my skills to real-world challenges, providing an unparalleled learning journey.
  • Location: Choosing UC Davis in San Francisco as the backdrop for my academic journey adds an exciting layer to my educational pursuits, enhancing not only my academic growth but also my personal and professional development.
  • Rankings and Placements:  UC Davis is renowned for its high rankings, by an impressive track record of graduate placements.
  • Strong Bonds, Stronger Support: Beyond academic excellence, what truly sets UC Davis apart is its supportive environment. Surrounded by a dedicated team of individuals who stand firmly by my side whenever I need them, I feel empowered and encouraged to thrive.

Since commencing the program in August 2023, I’ve been on a daily quest for fresh insights and knowledge. I couldn’t be more thrilled to be part of the 2024 Cohort, embarking on this transformative journey with like-minded peers, and contributing my unique perspective to the UC Davis community.

Prepare Your UC Davis Graduate School Application

It’s never too early to start preparing your graduate school application. The admissions application can be a timely process and allowing adequate time to prepare can be the key to creating a successful application. We encourage you to learn as much as you can about the admissions process before you begin your application.

Application Items to Prepare

We recommend gathering and preparing your application components well in advance of starting the application. Specifically, you’ll want to take time to:

  • Gather unofficial transcripts from all of the colleges and universities you’ve attended, even if you only took one course
  • Allow for enough time to request three letters of recommendation
  • Draft two personal essays
  • Compile any program-specific admissions requirements, such as writing samples or artistic portfolios
  • Plan for the application fee ($135 for U.S. residents or $155 for international students).
  • Take any required testing , such as the GRE or English Language Examinations, and plan for the fees associated with those tests.

Below you can find a few tips on how to successfully prepare your UC Davis application.

Know Your Deadlines

Apply by priority deadline to qualify for fellowships.

Graduate Studies administers approximately $6.6 million dollars in internal fellowships annually. At UC Davis, you must apply by your program's priority deadline to be considered for these fellowships . Don't miss out on this opportunity.  We recommend you submit all of your application components, including test scores and transcripts, by the deadline.  Be sure to allow enough time to meet these deadlines.

View Application Deadlines

Gather Your Unofficial Transcripts

Transcripts are required from all college-level institutions. You may use unofficial transcripts uploaded as .pdfs for your UC Davis application.  Official transcripts are only required if you are an admitted student.  You must list every college-level institution you have attended in the online application, including all community colleges, study abroad coursework, etc. If your college or institution does not use the 4.0 scale, do not attempt to convert your GPA.  On the application, enter your GPA just as it is on your transcript.

View Instructions for Uploading Transcripts

Draft Your Admissions Essays

The personal history and diversity statement and the statement of purpose showcase your academic journey and passions. Once you've drafted your essays, be sure to allow enough time for revisions and feedback. Identify a few individuals to read your admissions essays, including faculty members or advisors. We also suggest seeing if your college offers any writing support or graduate school admissions advising.

View Admissions Essay Topics

Request Letters of Recommendations

Letters of Recommendation should be written by individuals who are familiar with your academic work and interests. As such, they can highlight your potential for success in a graduate program and contribute significantly to your admissions application. Requesting and receiving letters of recommendation can be a lengthy process. It’s important to develop relationships and establish a timeline early in your graduate school admissions process.

My MBA Admissions Journey

Q&A with Michelle Yoo MBA 18

  • June 05, 2017

Hand holding a compass

How long did it take you to apply to the UC Davis MBA program?

It took me 14 days. I remember it so clearly. It took some quick planning and dedication, but I was able to submit the full application by the deadline.

I realized I would regret waiting another year.

I attended an admissions information session for plans to learn more and apply the following year—until I understood I could apply immediately. I realized I would regret waiting another year.

How were you able to apply so quickly?

The application process may seem daunting, but if you take it one step at a time, and plan accordingly, you can get it done. Here are some strategies that helped me. It’s important to follow the order from items that take the longest to ones that can be completed quicker.

Tip 1. Order School Transcripts Immediately

You can usually order transcripts from home at any time. Doing this first will allow for processing time to prevent delays which is especially true if they physical mail is the only option.

Tip 2. Schedule a GMAT or GRE Test Date

Having a firm date will prevent procrastination give you a working end date for your application. The GMAT or GRE is often the last component of your MBA application. Scheduling the test date will focus your study and allow you to build a study plan suited to your strengths and weaknesses.

Tip 3. Request Letters of Recommendation

When asking for a letter of recommendation, provide a date by which you need the letter. Ask the recommender if they are comfortable giving you a strong letter of recommendation at the very beginning to ensure they are comfortable and willing to strongly endorse you. You should give recommenders at least two weeks to write their letter.

Tip 4. Study for the GMAT/GRE

Start studying! Immediately take a practice GMAT/GRE test to establish your baseline score. Build a study plan using the insights gained from your practice test. Study consistently according to your study plan until your test.

Tip 5. Write Essay and Personal Introduction Concurrently

These are not nearly as intimidating as it may first appear and should be written concurrently while studying for the GMAT/GRE.

Tip 6. Don’t Forget Why You are Applying

The application process is the first step towards a great future, a great network, and an extremely rewarding experience.
